In this beginner’s guide, you will learn step-by-step how to make a PowerPoint presentation from scratch.

While PowerPoint is designed to be intuitive and accessible, it can be overwhelming if you’ve never gotten any training on it before. As you progress through this guide, you’ll will learn how to move from blank slides to PowerPoint slides that look like these.

Start with a blank presentation.

Note: Before you open PowerPoint and start creating your presentation, make sure you’ve collected your thoughts. If you’re going to make your slides compelling, you need to spend some time brainstorming.

The first thing you’ll need to do is to open PowerPoint. When you do, you are shown the Start Menu , with the Home tab open.

This is where you can choose either a blank theme (1) or a pre-built theme (2). You can also choose to open an existing presentation (3).

For now, go ahead and click on the  Blank Presentation (1)  thumbnail.

In the backstage view of PowerPoint you can create a new blank presentation, use a template, or open a recent file

Doing so launches a brand new and blank presentation for you to work with. Before you start adding content to your presentation, let’s first familiarize ourselves with the PowerPoint interface.

The PowerPoint interface

Here is how the program is laid out:

  • The Application Header
  • The Ribbon (including the Ribbon tabs)
  • The Quick Access Toolbar (either above or below the Ribbon)
  • The Slides Pane (slide thumbnails)

The Slide Area

The notes pane.

  • The Status Bar (including the View Buttons)

Each one of these areas has options for viewing certain parts of the PowerPoint environment and formatting your presentation.

Below are the important things to know about certain elements of the PowerPoint interface.

The PowerPoint Ribbon

The PowerPoint Ribbon in the Microsoft Office Suite

The Ribbon is contextual. That means that it will adapt to what you’re doing in the program.

For example, the Font, Paragraph and Drawing options are greyed out until you select something that has text in it, as in the example below (A).

Furthermore, if you start manipulating certain objects, the Ribbon will display additional tabs, as seen above (B), with more commands and features to help you work with those objects. The following objects have their own additional tabs in the Ribbon which are hidden until you select them:

  • Online Pictures
  • Screenshots
  • Screen Recording

The Slides Pane

This is where you can preview and rearrange all the slides in your presentation.

Right-clicking on a slide  in the pane gives you additional options on the slide level that you won’t find on the Ribbon, such as  Duplicate Slide ,  Delete Slide , and  Hide Slide .

In addition, you can add sections to your presentation by  right-clicking anywhere in this Pane  and selecting  Add Section . Sections are extremely helpful in large presentations, as they allow you to organize your slides into chunks that you can then rearrange, print or display differently from other slides.

The Slide Area (A) is where you will build out your slides. Anything within the bounds of this area will be visible when you present or print your presentation.

Anything outside of this area (B) will be hidden from view. This means that you can place things here, such as instructions for each slide, without worrying about them being shown to your audience.

The notes pane in PowerPoint is located at the bottom of your screen and is where you can type your speaker notes

The  Notes Pane  is the space beneath the Slide Area where you can type in the speaker notes for each slide. It’s designed as a fast way to add and edit your slides’ talking points.

Your speaker notes are visible when you print your slides using the Notes Pages option and when you use the Presenter View . To expand your knowledge and learn the ins and outs of using the Presenter View , read our guide here .

You can click and drag to resize the notes pane at the bottom of your PowerPoint screen

You can resize the  Notes Pane  by clicking on its edge and dragging it up or down (A). You can also minimize or reopen it by clicking on the Notes button in the Status Bar (B).

Note:  Not all text formatting displays in the Notes Pane, even though it will show up when printing your speaker notes. To learn more about printing PowerPoint with notes, read our guide here .

Now that you have a basic grasp of the PowerPoint interface at your disposal, it’s time to make your presentation.

Adding Content to Your PowerPoint Presentation

Notice that in the Slide Area , there are two rectangles with dotted outlines. These are called  Placeholders  and they’re set on the template in the Slide Master View .

Click into your content placeholders and start typing text, just as the prompt suggests

As the prompt text suggests, you can click into each placeholder and start typing text. These types of placeholder prompts are customizable too. That means that if you are using a company template, it might say something different, but the functionality is the same.

Note:  For the purposes of this example, I will create a presentation based on the content in the Starbucks 2018 Global Social Impact Report, which is available to the public on their website.

If you type in more text than there is room for, PowerPoint will automatically reduce its font size. You can stop this behavior by clicking on the  Autofit Options  icon to the left of the placeholder and selecting  Stop Fitting Text to this Placeholder .

Next, you can make formatting adjustments to your text by selecting the commands in the Font area and the  Paragraph area  of the  Home  tab of the Ribbon.

The Reset Command:  If you make any changes to your title and decide you want to go back to how it was originally, you can use the Reset button up in the Home tab .

Insert More Slides into Your Presentation

Now that you have your title slide filled in, it’s time to add more slides. To do that, simply go up to the  Home tab  and click on  New Slide . This inserts a new slide in your presentation right after the one you were on.

You can alternatively hit Ctrl+M on your keyboard to insert a new blank slide in PowerPoint. To learn more about this shortcut, see my guide on using Ctrl+M in PowerPoint .

Instead of clicking the New Slide command, you can also open the New Slide dropdown to see all the slide layouts in your PowerPoint template. Depending on who created your template, your layouts in this dropdown can be radically different.

If you insert a layout and later want to change it to a different layout, you can use the Layout dropdown instead of the New Slide dropdown.

After inserting a few different slide layouts, your presentation might look like the following picture. Don’t worry that it looks blank, next we will start adding content to your presentation.

If you want to follow along exactly with me, your five slides should be as follows:

  • Title Slide
  • Title and Content
  • Section Header
  • Two Content
  • Picture with Caption

Adding Content to Your Slides

Now let’s go into each slide and start adding our content. You’ll notice some new types of placeholders.

Use the icons within a content placeholder to insert things like tables, charts, SmartArt, Pictures, etc.

On slide 2 we have a  Content Placeholder , which allows you to add any kind of content. That includes:

  • A SmartArt graphic,
  • A 3D object,
  • A picture from the web,
  • Or an icon.

To insert text, simply type it in or hit  Ctrl+C to Copy  and Ctrl+V to Paste  from elsewhere. To insert any of the other objects, click on the appropriate icon and follow the steps to insert it.

For my example, I’ll simply type in some text as you can see in the picture below.

Slides 3 and 4 only have text placeholders, so I’ll go ahead and add in my text into each one.

On slide 5 we have a Picture Placeholder . That means that the only elements that can go into it are:

  • A picture from the web

A picture placeholder in PowerPoint can only take an image or an icon

To insert a picture into the picture placeholder, simply:

  • Click on the  Picture  icon
  • Find  a picture on your computer and select it
  • Click on  Insert

Alternatively, if you already have a picture open somewhere else, you can select the placeholder and paste in (shortcut: Ctrl+V ) the picture. You can also drag the picture in from a file explorer window.

If you do not like the background of the picture you inserted onto your slide, you can remove the background here in PowerPoint. To see how to do this, read my guide here .

Placeholders aren’t the only way to add content to your slides. At any point, you can use the Insert tab to add elements to your slides.

You can use either the Title Only  or the  Blank  slide layout to create slides for content that’s different. For example, a three-layout content slide, or a single picture divider slide, as shown below.

In the first example above, I’ve inserted 6 text boxes, 3 icons, and 3 circles to create this layout. In the second example, I’ve inserted a full-sized picture and then 2 shapes and 2 text boxes.

The Reset Command:  Because these slides are built with shapes and text boxes (and not placeholders), hitting the  Reset button up in the  Home tab  won’t do anything.

That is a good thing if you don’t want your layouts to adjust. However, it does mean that it falls on you to make sure everything is aligned and positioned correctly.

Using Designer to generate more layouts ideas

If you have Office 365, your version of PowerPoint comes with a new feature called Designer (or Design Ideas). This is a feature that generates slide layout ideas for you. The coolest thing about this feature is that it uses the content you already have.

To use Designer , simply navigate to the  Design tab  in your Ribbon, and click on  Design Ideas .

Change the Overall Design (optional)

When you make a PowerPoint presentation, you’ll want to think about the overall design. Now that you have some content in your presentation, you can use the Design tab to change the look and feel of your slides.

A. Picking your PowerPoint slide size

If you have PowerPoint 2013 or later, when you create a blank document in PowerPoint, you automatically start with a widescreen layout with a 16:9 ratio. These dimensions are suitable for most presentations as they match the screens of most computers and projectors.

However, you do have the option to change the dimensions.

For example, your presentation might not be presented, but instead converted into a PDF or printed and distributed. In that case, you can easily switch to the standard dimensions with a 4:3 ratio by selecting from the dropdown (A).

You can also choose a custom slide size or change the slide orientation from landscape to portrait in the Custom Slide Size dialog box (B).

 B. Selecting a PowerPoint theme

The next thing you can do is change the theme of your presentation to a pre-built one. For a detailed explanation of what a PowerPoint theme is, and how to best use it,  read my article here .

In the beginning of this tutorial, we started with a blank presentation, which uses the default Office theme as you can see in the picture below.

That gives you the most flexibility because it has a blank background and quite simple layouts that work for most presentations. However, it also means that it’s your responsibility to enhance the design.

If you’re comfortable with this, you can stay with the default theme or create your own custom theme ( read my guide here ). But if you would rather not have to think about design, then you can choose a pre-designed theme.

Microsoft provides 46 other pre-built themes, which include slide layouts, color variants and palettes, and fonts. Each one varies quite significantly, so make sure you look through them carefully.

To select a different theme, go to the  Design tab  in the Ribbon, and click on the  dropdown arrow  in the  Themes section .

For this tutorial, let’s select the  Frame  theme and then choose the third Variant in the theme. Doing so changes the layout, colors, and fonts of your presentation.

Note: The theme dropdown area is also where you can import or save custom themes. To see my favorite places to find professional PowerPoint templates and themes (and recommendations for why I like them), read my guide here .

C. How to change a slide background in PowerPoint

The next thing to decide is how you want your background to look for the entire presentation. In the  Variants area, you can see four background options.

To change the background style of your presentation, on the Design tab, find the Background Styles options and choose a style

For this example, we want our presentation to have a dark background, so let’s select Style 3. When you do so, you’ll notice that:

  • The background color automatically changes across all slides
  • The color of the text on most of the slides automatically changes to white so that it’s visible on the dark background
  • The colors of the objects on slides #6 and #7 also adjust, in a way we may not want (we’ll likely have to make some manual adjustments to these slides)

Note: If you want to change the slide background for just that one slide, don’t left-click the style. Instead, right-click it and select Apply to Selected Slides .

After you change the background for your entire presentation, you can easily adjust the background for an individual slide.

You can either right-click a PowerPoint slide and select format background or navigate to the design tab and click the format background command

Inside the Format Background pane, you can see you have the following options:

  • Gradient fill
  • Picture or texture fill
  • Pattern fill
  • Hide background

You can explore these options to find the PowerPoint background that best fits your presentation.

D. How to change your color palette in PowerPoint

Another thing you may want to adjust in your presentation, is the color scheme. In the picture below you can see the Theme Colors we are currently using for this presentation.

Each PowerPoint theme comes with its own color palette. By default, the Office theme includes the Office color palette. This affects the colors you are presented with when you format any element within your presentation (text, shapes, SmartArt, etc.).

To change the theme color for your presentation, select the Design tab, open the Colors options and choose the colors you want to use

The good news is that the colors here are easy to change. To switch color palettes, simply:

  • Go to the  Design tab in the Ribbon
  • In the Variants area, click on the  dropdown arrow  and select  Colors
  • Select  the color palette (or theme colors) you want

You can choose among the pre-built color palettes from Office, or you can customize them to create your own.

As you build your presentation, make sure you use the colors from your theme to format objects. That way, changing the color palette adjusts all the colors in your presentation automatically.

E. How to change your fonts in PowerPoint

Just as we changed the color palette, you can do the same for the fonts.

Each PowerPoint theme comes with its own font combination. By default, the Office theme includes the Office font pairing. This affects the fonts that are automatically assigned to all text in your presentation.

To change the default fonts for your presentation, from the design tab, find the fonts dropdown and select the pair of fonts you want to use

The good news is that the font pairings are easy to change. To switch your Theme Fonts, simply:

  • Go to the  Design tab  in the Ribbon
  • Click on the  dropdown arrow  in the  Variants  area
  • Select  Fonts
  • Select  the font pairing you want

You can choose among the pre-built fonts from Office, or you can customize them to create your own.

If you are working with PowerPoint presentations on both Mac and PC computers, make sure you choose a safe PowerPoint font. To see a list of the safest PowerPoint fonts, read our guide here .

If you receive a PowerPoint presentation and the wrong fonts were used, you can use the Replace Fonts dialog box to change the fonts across your entire presentation. For details, read our guide here .

Adding Animations & Transitions (optional)

The final step to make a PowerPoint presentation compelling, is to consider using animations and transitions. These are by no means necessary to a good presentation, but they may be helpful in your situation.

A. Adding PowerPoint animations

PowerPoint has an incredibly robust animations engine designed to power your creativity. That being said, it’s also easy to get started with basic animations.

Animations are movements that you can apply to individual objects on your slide.

To add an animation to an object in PowerPoint, first select the object and then use the Animations tab to select an animation type

To add a PowerPoint animation to an element of your slide, simply:

  • Select the  element
  • Go to the  Animations tab in the Ribbon
  • Click on the  dropdown arrow  to view your options
  • Select the  animation  you want

You can add animations to multiple objects at one time by selecting them all first and then applying the animation.

B. How to preview a PowerPoint animation

There are three ways to preview a PowerPoint animation

There are three ways to preview a PowerPoint animation:

  • Click on the Preview button in the Animations tab
  • Click on the little star  next to the slide
  • Play the slide in Slide Show Mode

To adjust the settings of your animations, explore the options in the  Effect Options ,  Advanced Animation  and the  Timing  areas of the  Animation tab .

C. How to manage your animations in PowerPoint

You can see the animations applied to your objects by the little numbers in the upper right-hand corner of the objects

The best way to manage lots of animations on your slide is with the Animation Pane . To open it, simply:

  • Navigate to the  Animations tab
  • Select the  Animation Pane

Inside the Animation Pane, you’ll see all of the different animations that have been applied to objects on your slide, with their numbers marked as pictured above.

D. How to add transitions to your PowerPoint presentation

PowerPoint has an incredibly robust transition engine so that you can dictate how your slides change from one to the other. It is also extremely easy to add transitions to your slides.

In PowerPoint, transitions are the movements (or effects) you see as you move between two slides.

To add a transition to a slide, select the slide, navigate to the transitions tab in PowerPoint and select your transition

To add a transition to a PowerPoint slide, simply:

  • Select the  slide
  • Go to the  Transitions tab in the Ribbon
  • In the Transitions to This Slide area, click on the  dropdown arrow  to view your options
  • Select the  transition  you want

To adjust the settings of the transition, explore the options in the  Timing  area of the Transitions tab.

You can also add the same transition to multiple slides. To do that, select them in the  Slides Pane  and apply the transition.

E. How to preview a transition in PowerPoint

There are three ways to preview a transition in PowerPoint

There are three ways to preview your PowerPoint transitions (just like your animations):

  • Click on the Preview  button in the Transitions tab
  • Click on the little star  beneath the slide number in the thumbnail view

Note:  In 2016, PowerPoint added a cool new transition, called Morph. It operates a bit differently from other transitions. For a detailed tutorial on how to use the cool Morph transition,  see our step-by-step article here .

Save Your PowerPoint Presentation

After you’ve built your presentation and made all the adjustments to your slides, you’ll want to save your presentation. YOu can do this several different ways.

Click the file tab, select Save As, choose where you want to save your presentation and then click save

To save a PowerPoint presentation using your Ribbon, simply:

  • Navigate to the  File tab
  •  Select  Save As  on the left
  • Choose  where you want to save your presentation
  • Name  your presentation and/or adjust your file type settings
  • Click  Save

You can alternatively use the  Ctrl+S keyboard shortcut to save your presentation. I recommend using this shortcut frequently as you build your presentation to make sure you don’t lose any of your work.

This is the standard way to save a presentation. However, there may be a situation where you want to save your presentation as a different file type.

How to save your PowerPoint presentation as a template

Once you’ve created a presentation that you like, you may want to turn it into a template. The easiest – but not technically correct – way, is to simply create a copy of your current presentation and then change the content.

But be careful! A PowerPoint template is a special type of document and it has its own parameters and behaviors.

Printing Your PowerPoint Presentation

After finishing your PowerPoint presentation, you may want to print it out on paper. Printing your slides is relatively easy.

The print shortcut is control plus P in PowerPoint

To open the Print dialog box, you can either:

  • Hit Ctrl+P on your keyboard
  • Or go to the Ribbon and click on File and then Print

In the Print dialog box, make your selections for how you want to print your PowerPoint presentation, then click print

Inside the Print dialog box, you can choose from the various printing settings:

  • Printer: Select a printer to use (or print to PDF or OneNote)
  • Slides: Choose which slides you want to print
  • Layout: Determine how many slides you want per page (this is where you can print the notes, outline, and handouts)
  • Collated or uncollated (learn what collated printing means here )
  • Color: Choose to print in color, grayscale or black & white

When you are creating your presentation, it is critical to first focus on the content (what you are trying to say) before getting lost inserting and playing with elements. The clearer you are on what you want to present, the easier it will be to build it out in PowerPoint.

Why is Presentation Design and Formatting Important?

A well-designed presentation can help you connect with your audience and gets your message across in an easily digestible manner. Great presentation design can impart a positive first impression and is more likely to draw in and engage an audience.

Pretend you’re attending a presentation and instead of formatted PowerPoint slides, each one is plain white with a lot of dark text that’s hard to read. And even though the background and text colors are the same, none of the text is lined up and multiple fonts are used. There are no transitions or title pages that help to differentiate between topics being discussed and you’re presented with slide after slide of confusing, jumbled text.

Formatting slides in your presentation is what enhances the look of the slides and transforms them into something that complements the content and resonates with the audience.

What Else Should a Good Presentation Include?

While formatted slides can help to connect with the audience, a good presentation should also include:

  • Well-written, concise content that clearly explains the problem that you’re trying to solve and the unique solution you’ve come up with.
  • A great hook or emotionally compelling introduction.
  • Visuals that support your message and aren’t too busy.

Most importantly, a good presentation should be efficient and engage with the audience. And that engagement can be found in the content as well as how the slides are formatted.

Tips for Creating & Formatting Presentation Slides

Before you start creating your PowerPoint presentation, make sure that your content is solid. Making an outline can help you keep information organized, clear, and concise before you put it into a presentation. The outline can also help you break down what information is shared on each slide to keep things from being overcrowded or wordy. Take a minute to consider your audience and the best ways to connect with them and present what you’re trying to share.

Once your content is finalized, you can get to work on creating and formatting your presentation slides.

How to Make a Slide

A PowerPoint presentation is sometimes known as a deck and is composed of different slides. When you’re putting your own deck together, you’ll certainly need to add slides and format them in different ways.

In order to make a new slide appear in your presentation, first select the slide that you’d like your new slide to follow. Then click Home and choose New Slide . From there, you can choose your desired layout , and start inputting content. The layout options in PowerPoint are great for keeping your text lined up and consistent through the deck. You can also rearrange, duplicate, and delete slides as necessary.

Formatting Your Presentation Slides

Once you’ve created your content or slides, it’s time to consider design and formatting. This is where you make choices about themes, templates, color schemes, and fonts.

If you don’t feel confident about your design abilities, you might want to try applying a template . This customizable option offers a variety of artistic skins that can give your deck a professional polish. There is even a range of downloadable templates available from Microsoft to suit any kind of presentation.

Don’t feel like you must use a template, though. Many users may prefer to use or create a theme to visually tie together their presentations. PowerPoint provides a variety of themes which include color schemes, backgrounds, fonts, and placeholder slides. In the Design tab, you can choose a theme that appeals to you or matches with your content. You can even try different color variations within the theme by selecting Variants . Each variant has built in options for colors, fonts, and background colors and styles that can help you format your slides and create a cohesive look throughout the deck.

There are a few things to keep in mind if you decide to eschew the suggestions made by PowerPoint:

  • Consider the colors you’re using. There are definitely a few color combinations you should avoid .
  • Choose fonts that are easy to read and make sure that your text isn’t too small to be read across a large room. You’ll also want to remember to keep the text on your slides relatively sparse, with no more than three bullet points per slide.

Using Visual Aids in Your Presentation

One way to break up the monotony of an all-text presentation is to use visual aids like charts, graphs, static images, gifs, and movies.

As with all other aspects of your deck, ensure that your visuals are easy to see and understand, and aren’t too wordy. Imagine trying to read a line graph with lots of muddy colors and small text from across a conference room. The goal of a visual aid is to make the presentation you’re giving more compelling and the information you’re sharing easier to understand.

Here are a few tips for adding visuals to your presentation:

  • Make sure the images you use are of high quality and that they fit in your deck. They shouldn’t be distorted or pixelated, as this will distract from the content.
  • All charts should be very easy to read and understand. If someone can’t immediately glean what information is presented, you may be trying to fit too much into a single chart.
  • Don’t use more than one chart per slide unless it’s necessary. Keep it simple.
  • If you’re including a brand or logo in your deck, make sure you’re adhering to that brand’s style guide .

How to structure a good PowerPoint Presentation

When creating presentations, it is particularly important that they are well organized and have a consistent structure.

A logical structure helps the audience to follow you and to remember the core information as best as possible. It is also important for the presenter, as a good presentation structure helps to keep calm, to stay on the topic and to avoid awkward pauses.

But what does such a structure actually look like? Here we show you how to best organize your presentation and what a good structure looks like.

Plan your presentation

Before you start creating your presentation, you should always brainstorm. Think about the topic and write all your ideas down. Then think about the message you want to communicate, what your goal is and what you want your audience to remember at the end.

Think about who your audience is so that you can address them in the best possible way. One possibility is to start your presentation with a few polls to get to know your audience better. The basic structure of a presentation is actually always the same and should consist of:

After that, you should spend about 50% of your presentation proposing a solution and explaining it in detail.

In the last 25%, describe what benefits this solution will bring to your audience and ask them to take a simple but relevant action that relates to the problem being discussed.

When you have something historical to tell, it is always good to use a chronological structure. You always have to ask yourself what happens next.

In this blog post, I’m sharing some of my favorite PowerPoint tips and templates to help you nail your next presentation.

What makes a good PowerPoint presentation?

In my opinion, a great PowerPoint presentation gets the point across succinctly while using a design that doesn't detract from it.

Here are some of the elements I like to keep in mind when I’m building my own.

1. Minimal Animations and Transitions

Believe it or not, animations and transitions can take away from your PowerPoint presentation. Why? Well, they distract from the content you worked so hard on.

A good PowerPoint presentation keeps the focus on your argument by keeping animations and transitions to a minimum. I suggest using them tastefully and sparingly to emphasize a point or bring attention to a certain part of an image.

2. Cohesive Color Palette

I like to refresh my memory on color theory when creating a new PowerPoint presentation.

A cohesive color palette uses complementary and analogous colors to draw the audience’s attention and help emphasize certain aspects at the right time.

It‘s impossible for me to tell you the specific design ideas you should go after in your next PowerPoint, because, well, I don’t know what the goal of your presentation is.

Luckily, new versions of PowerPoint actually suggest ideas for you based on the content you're presenting. This can help you keep up with the latest trends in presentation design .

PowerPoint is filled with interesting boilerplate designs you can start with. To find these suggestions, open PowerPoint and click the “Design” tab in your top navigation bar. Then, on the far right side, you'll see the following choices:

This simplistic presentation example employs several different colors and font weights, but instead of coming off as disconnected, the varied colors work with one another to create contrast and call out specific concepts.

What I like: The big, bold numbers help set the reader's expectations, as they clearly signify how far along the viewer is in the list of tips.

10. “Pixar's 22 Rules to Phenomenal Storytelling,” Gavin McMahon

This presentation by Gavin McMahon features color in all the right places. While each of the background images boasts a bright, spotlight-like design, all the characters are intentionally blacked out.

What I like: This helps keep the focus on the tips, while still incorporating visuals. Not to mention, it's still easy for me to identify each character without the details. (I found you on slide eight, Nemo.)

11. “Facebook Engagement and Activity Report,” We Are Social

Here's another great example of data visualization in the wild.

What I like: Rather than displaying numbers and statistics straight up, this presentation calls upon interesting, colorful graphs, and charts to present the information in a way that just makes sense.

12. “The GaryVee Content Model,” Gary Vaynerchuk

This wouldn‘t be a true Gary Vaynerchuk presentation if it wasn’t a little loud, am I right?

What I like: Aside from the fact that I love the eye-catching, bright yellow background, Vaynerchuk does a great job of incorporating screenshots on each slide to create a visual tutorial that coincides with the tips. He also does a great job including a visual table of contents that shows your progress as you go .

13. “20 Tweetable Quotes to Inspire Marketing & Design Creative Genius,” IMPACT Branding & Design

We‘ve all seen our fair share of quote-chronicling presentations but that isn’t to say they were all done well. Often the background images are poor quality, the text is too small, or there isn't enough contrast.

Well, this professional presentation from IMPACT Branding & Design suffers from none of said challenges.

What I like: The colorful filters over each background image create just enough contrast for the quotes to stand out.

14. “The Great State of Design,” Stacy Kvernmo

This presentation offers up a lot of information in a way that doesn't feel overwhelming.

What I like: The contrasting colors create visual interest and “pop,” and the comic images (slides 6 through 12) are used to make the information seem less buttoned-up and overwhelming.

15. “Clickbait: A Guide To Writing Un-Ignorable Headlines,” Ethos3

Not going to lie, it was the title that convinced me to click through to this presentation but the awesome design kept me there once I arrived.

What I like: This simple design adheres to a consistent color pattern and leverages bullet points and varied fonts to break up the text nicely.

16. “Digital Transformation in 50 Soundbites,” Julie Dodd

This design highlights a great alternative to the “text-over-image” display we've grown used to seeing.

What I like: By leveraging a split-screen approach to each presentation slide, Julie Dodd was able to serve up a clean, legible quote without sacrificing the power of a strong visual.

17. “Fix Your Really Bad PowerPoint,” Slide Comet

When you‘re creating a PowerPoint about how everyone’s PowerPoints stink, yours had better be terrific. The one above, based on the ebook by Seth Godin, keeps it simple without boring its audience.

What I like: Its clever combinations of fonts, together with consistent color across each slide, ensure you're neither overwhelmed nor unengaged.

18. “How Google Works,” Eric Schmidt

Simple, clever doodles tell the story of Google in a fun and creative way. This presentation reads almost like a storybook, making it easy to move from one slide to the next.

What I like: This uncluttered approach provides viewers with an easy-to-understand explanation of a complicated topic.

19. “What Really Differentiates the Best Content Marketers From The Rest,” Ross Simmonds

Let‘s be honest: These graphics are hard not to love. I especially appreciate the author’s cartoonified self-portrait that closes out the presentation. Well played, Ross Simmonds.

What I like: Rather than employing the same old stock photos, this unique design serves as a refreshing way to present information that's both valuable and fun.

20. “Be A Great Product Leader,” Adam Nash

This presentation by Adam Nash immediately draws attention by putting the company's logo first — a great move if your company is well known.

What I like: He uses popular images, such as ones of Megatron and Pinocchio, to drive his points home. In the same way, you can take advantage of popular images and media to keep your audience engaged.

Here are my top tips for designing a presentation with impact:

1. Dedicate each slide to only one topic

Just as it’s important for your slides to not be cluttered, it’s also important for your slides to be cohesive.

Keep each slide focused on just one topic. The topic of each slide should be clearly stated in the slide title.

This simple, straightforward slide pattern will help the audience follow along without any confusion.

As a presenter, keeping your slide topics organized will help you organize your thoughts as well. Each new slide will signal a new topic.

2. Start with presentation templates

Before jumping into the other tips, let’s set the foundation.

You’ve decided to create something a little more interesting than a standard PowerPoint theme–good on you! But that doesn’t mean you have to start completely from scratch.

Instead, you can give yourself a head start by using creative presentation templates, like this one:

While most PowerPoint themes are fairly limited in how much you can customize them, freeform presentation templates will give you the freedom to alter the design as much as you want.

3. Don’t overburden your slides with text

Even if you decide to ignore most of the other tips in this guide, don’t skip over this one. This is presentation design 101.

When you flip to a slide covered wall-to-wall with text, there’s a good chance your audience is going to think:

  • I don’t want to read all of that.
  • This presenter isn’t well-prepared.

In fact, a study published in Business and Professional Communication Quarterly found that anxious presenters tended to use more text on their slides, usually because they used their slides as speaking notes.

Instead of using a bunch of text, look for ways to present information visually charts and infographics .

For example, this slide template uses brief text and some simple icons to summarize the presentation :

4. Establish a visual hierarchy on your slides

When you flip to a new slide, your audience will be seeing it for the first time. Their eyes are going to naturally be drawn whatever the focal point on the page is.

The focal point is the most dominant area on your slide–the point that draws the most attention.

You can create a hierarchy of information on your slide by making the most important information the focal point of your slide. In most cases, the focal point will be the slide title, or a particular visual, or an important phrase or number.

There are a few ways you can create a visual hierarchy on your slides.

You can bold important phrases, like the word “Facebook” in this slide:

Icons also help to establish a reading order. They draw your eye from point to point. Placing icons beside headers and important points will make them stand out from the other information on the slide.

Icons can also be used to indicate where a new point begins:

Color selection can also be used to establish a visual hierarchy. Take a look at how the colorful blocks in this slide help to make the slide titles pop:

Your eyes are drawn first to the title text, then to the supporting information beside it.

5. Pick a visual motif that runs throughout your presentation templates

You can use visuals to pull your presentation design together and make it cohesive. Picking a visual motif will allow you to use consistent visuals throughout your presentation.

A visual motif is a repeated pattern, design, or image. In your presentation design, a motif can take many forms.

When it comes to infographic color selection , one of the simplest approaches is to use a consistent color motif (or color scheme). That could mean using one or two colors for all of your headers, background and borders.

For example, this presentation template uses two shades of purple for a modern design:

But combining different colors and patterns can also make for a more interesting design. For example, this presentation template uses a blue stripe motif to link the slides together visually:

You could also use a recurring shape or image, like the circle image frames in this presentation template:

Or you could use a motif that reflects the theme of your presentation. For example, this presentation template uses a recurring cloud motif throughout the presentation to reflect the “dream” theme of the brand:

This is a case where starting with a presentation template can really come in handy, because the template will already have a motif. Look for presentation templates with a motif that fits your topic and brand.

6. Visualize data using charts and infographics

Replacing text with visuals is one of the best ways to prevent your slide design from becoming cluttered. Charts and infographics present information in an engaging, digestible way.

I won’t go into too much detail here about what types of charts you should use for what data. We’ve got an in-depth guide to picking charts for that.

But I’ll give you a few ideas for some types of charts and infographics that work well in presentations.

If you want to visualize steps in a process, the history of something, or a roadmap, use a timeline.

This slide template uses a simple timeline with complementary icons to emphasize each date:

To create an infographic for geographic and demographic information , a map can make a big impact on your audience:

A classic pie chart or bar graph should be easily understood by your audience, provided you’re following  chart best practices .

If you can, mix up the types of data visualizations you use. This will help prevent your audience from getting bored.

7. Create custom illustrations using icons to help tell stories

Custom illustrations are one of this year’s  biggest graphic design trends . They’re fun, quirky, and more exciting than a boring old stock photo.

Creating your own illustrations for social media graphics might seem like a costly and time-consuming undertaking. And it can be. But I’m going to offer you a hack:

8. Highlight important information using big, bold colorful text

Returning to the idea or focal points on your slide: emphasize a key number or phrase when creating a persuasive presentation using big, bold text in a contrasting color.

This will communicate to your audience that if they take away one thing from your slide, it should be that piece of information.

For example, this presentation template uses bright colored font in several sizes larger than the rest of the text to emphasize important numbers on each slide:

But you could also pick one color to emphasize key information with. That way, your audience will catch on to the pattern and look for that color in upcoming slides.

9. Alternate between different slide layouts to keep your audience engaged

You may be tempted to use the same slide layout throughout your entire presentation–either for consistency or because you’re not sure how else to design your slide.

The problem is, using the same slide layout over and over again won’t do much to excite your audience.

There are other ways you can create consistency throughout your presentation, while also using different slide layouts–like through a visual motif.

For example, this presentation template uses five different slide layouts. The consistent color scheme, image style and font style pull the presentation together.

To come up with different slide layouts, try dividing your slide into columns. This can make it easier to arrange the elements in your slide.

10. Add a progress tracker to your presentation slides

Creating a sense of forward movement will help keep your audience engaged.

Similar to how you would put the chapter title at the top of the pages in a book, you can track the progress of your presentations in your slides. This will let your audience know what stage you’re at in your presentation. Your audience will also be able to refer to the sections in your presentation more easily afterward.

A simple progress bar at the bottom of your slide shouldn’t distract too much from the rest of your information.

11. Download your presentation as a PDF

It’s common for audience members to request a copy of your presentation for their reference. Make sharing your presentation easy by exporting it as a PDF or zipped file.

How to Structure a PowerPoint Presentation

This is the main part of your presentation, which should keep the promises you made in the introduction. This is where you explain your topic and present all your information. 

Depending on the nature of your presentation, divide it into segments/points. Arrange your points in a logical order and then provide information to support each of them. There are many different ways to organize your key points, for example:

  • Number your points according to their priority (1, 2, 3, …)
  • Place the points in a time frame (past, present, future)
  • Use narration (tell a story from beginning to end)
  • Present the points with a problem-solution dynamic (state a problem, describe its impact, offer ways to solve the issue)

A good conclusion summarizes the key points you made or highlights what the audience should have learned. It clarifies the general purpose of your presentation and reinforces the reason for viewing it. Here are the slides you may want to include:

  • Summary. List what goals your audience have achieved, what knowledge they got, and how this information can help them in the future.
  • Conclusion. Here you can thank your audience for viewing the presentation.

Tips for Structuring a Presentation in PowerPoint

Now that you know which parts a typical presentation should consist of, let’s see how to structure it in PowerPoint. 

1. Combine slides into sections

When working with a large PowerPoint presentation (PPT), you can create sections that can be collapsed and expanded. This will help you keep presentation slides organized and facilitate navigation in editing mode. To do that, follow these steps:

  • To shift a section, right-click on its name and use the Move Section Up and Move Section Down options.
  • To collapse or expand a certain section, click on the collapse icon to the left of the section name. You can also minimize and maximize all sections at once by right-clicking on the section name and choosing Collapse All or Expand All .

As well, you can access these settings by choosing Slide Sorter under the VIEW tab.

This kind of segmentation is a great way to overview the logical flow of your slides all at once and see if there are any changes required. For example, you may decide to break one slide into two or three, or the other way around.

2. Use the Outline View

One other way to structure a PowerPoint presentation in the editing mode is to use Outline View . You can choose it from the VIEW tab.

This view doesn’t display sections, but it shows the title and main text of each slide, which can give you a quick overview of the presentation contents. Here you can go through the entire text and edit it instantly. You can also work with text (on the left) and slides (on the right) simultaneously, as the latter is shown on the right side of your screen.

Note that, to be displayed in an outline, text needs to be typed in a text placeholder, not a text box . A text placeholder is a box with the words “Click to add text” or “Click to add title”, and it appears when you choose a standard layout.

You can also use Outline View to promote bullet text to titles and the other way around. To do that, right-click on a relevant title or text and select the Promote or Demote options.

Be attentive about demoting a title, as this will delete the original slide and move its title and text to the adjacent slide.

PowerPoint only allows users to promote and demote text, not entire slides. Therefore, there’s no possibility to change the hierarchical order of slides.

3. Create a table of contents

All the aforementioned tips help you organize a presentation when formatting it. However, it’s crucial that your viewers can easily navigate through entire presentation too. One sure way to provide them with this opportunity is to create an interactive and structured table of contents.

Though there’s no native automatic outline in PowerPoint, it can be created manually:

  • Press Ctrl+A to select all the names, and Ctrl+C to copy them. 
  • Then Press Ctrl+V to paste the copied titles on the desired slide. In case there are too many titles and they don’t fit onto a single page, you can divide the table of contents into two columns or place it on two slides.

You’ll need to repeat this procedure to link all the chapters to corresponding slides. For more information, read this step-by-step guide on how to add a hyperlink in PowerPoint .

Now all the chapters can be accessed from a single table of contents, which is very convenient. However, you will also need to link them back to that unifying page. You can do this by inserting an Action Button on every slide of your presentation in Slide Master mode:

Now there is a single page from which all the other pages can be easily accessed. As well, it’s possible to go back to the table of contents at any time with the intuitive Home button.

Depending on the size of your presentation, the time it takes to create an interactive outline may vary, as you will need to add hyperlinks to every chapter manually. Be aware that if you rename a slide or simply delete it, these changes will not be automatically registered in the table of contents. For example, if you delete a slide, its title will still be displayed in the table of contents, but clicking on it won’t lead the viewer to another point in the presentation.

Creating a table of contents manually might be fine for a small presentation, but if you have 122 slides, it would require too much time and energy to do so. That’s why, instead of manually creating a table of contents, we took advantage of iSpring Suite and simply enabled the automatic outline.

How to set up navigation

To create navigation in your presentation, follow these simple steps:

  • Get a free trial of iSpring Suite.

  • When you’ve configured the Slide Properties settings, click on Save & Close in the upper-left corner.

How to configure an outline

Whereas PowerPoint requires the outline to be designed manually, iSpring Suite has already prepared it for you. At the same time, you don’t have to stick with the standard outline template, as you can easily customize the player’s final look and feel:

We recommend leaving Enable Search marked, as this will allow viewers to search for any content at any time, including the texts on the slides. This is especially useful for large presentations with a lot of text.

If you have previously arranged slides into multiple levels in the Slide Properties, then leave Multilevel outline marked. That way, the outline will display the nesting structure of the presentation, facilitating navigation. You can learn more about the other outline options here .

  • When you have finished configuring the player, click on Apply & Close in the upper-left corner.
  • Now you can publish your enhanced presentation either to HTML5, to make it easily accessible via browser on any device, or MP4 video format. If you’re going to upload your presentation to an LMS, you can publish it to any eLearning format: SCORM, AICC, Tin Can, or cmi5.

Exploring the 12 Different Types of Slides in PowerPoint

Presentations are an important communication tool in professional and academic environments. Effective slide design is not merely about aesthetics; it’s about enhancing comprehension, engagement, and retention of information. Each type of slide serves a specific purpose and requires thoughtful consideration in its creation and application. This guide explores twelve common types of slides, explaining their purposes, typical usage scenarios, essential components, and strategies for maximum effectiveness.

The title slide sets the tone and context for the presentation. It’s our main opportunity to make a strong first impression and establish the speaker’s credibility regarding aesthetics and professionalism.

As the core point in how to start a presentation , the title slide gives a clear indication of the topic, the presenter’s identity, and relevant contextual data. Let’s see which are the components of the title slide.

  • Main Title: This is the focal point of the slide. It should be concise yet descriptive enough to clearly explain the presentation’s focus. The font size should be large enough to be readable from the back of the room.
  • Subtitle: If necessary, provide additional clarification or a more detailed descriptor of the presentation’s scope.
  • Presenter’s Name and Details: Includes full name, job title, and affiliation. Positioned for easy visibility but without overshadowing the main title.
  • Date and Venue: These are important for context, especially if the presentation might be referenced later or is part of a larger conference or seminar.
  • Design Elements: The layout should reflect corporate or personal branding, using logos, specific color schemes, and fonts. It should also be clean and not cluttered, maintaining a professional appearance.

The title slide should be crafted around a concept that is valid for different types of slides: less is more. Maintain a high contrast between the text and the background, but don’t overdo it; otherwise, you will affect the readability of your slides . If you’re using a background image, ensure it does not distract the audience’s attention from your speech. Alternatively, we can add a fade-in or morph effect for the text to create neat transitions and grab the audience’s attention without being distracting.

We call a picture slide to those who use strong visual imagery to aid in storytelling presentations , making concepts tangible, providing an emotional impact, or those who serve to illustrate case studies .

Picture slides are mainly used to illustrate complex concepts , but they are also an element that can add dynamism to a presentation, making the overall presentation less “boring” than just sticking to data and tables. The components of picture slides are:

  • High-Quality Image: The image should dominate the slide and be directly relevant to the accompanying content. It should be sharp and have appropriate rights for use – meaning we cannot claim an image from a professional photographer as it is. Either work with royalty-free pictures or with your own images (or work your way around Midjourney to create AI-images).
  • Minimal Text: If text is necessary, it should not compete with the image. Placement should be thoughtful, ensuring that the image remains the focus. In some particular scenarios, text can be the image, as we see in portraits made out of words.
  • Caption: Optional, but can help provide context or cite the source of the image. Also, captions help people with auditory impairments to comprehend the reason why the image is being shown.

Aim to choose images that evoke the emotion you want to convey in your presentation. For an appropriate layout, you can use the rule of thirds for a balanced composition or half-and-half if you are presenting the image alongside relevant written data. Avoid oversaturated images or heavily dramatic black-and-white effects.

We’re all used to text slides. That being said, good design practices regarding text slides don’t consider having huge walls of text with the sole excuse of “delivering information.” Layouts matter. Presenters should stick to a column layout where the information is summarized and arranged using presentation aids to break up the written format monotony and ensure audience engagement .

Text slides can contain the following elements:

  • Headline: Clearly states the topic or point of the slide. It should be written in a distinctive type format than the rest of the body text.
  • Body Text: Should be organized in short, concise paragraphs. Limit the text to essential information to avoid overwhelming the audience. Take special care when selecting the font for the presentation to ensure legibility.
  • Visual References: Icons or tiny graphics can help illustrate points and break up text, enhancing readability and retention.

Always pay attention to legibility. Although bullet points can be helpful in organizing information, some viewers may find them reiterative, like everything is important—hence the reason why we shouldn’t abuse them. You can emphasize words or important phrases with bold, italics, or color changes. Ensure that the text-to-whitespace balance is accurate to prevent crowded slides.

After delivering the title slide, a good practice is to disclose the structure of the topics to be presented. This is where agenda slides are incredibly handy. They help the audience manage their expectations from the presentation and also structure the presentation’s logical flow. As a tool, they are useful in lengthy business presentations or academic presentations in which presenters review the concepts in the format of presentation handouts (or directly by checking the slide deck if it’s facilitated by the event’s organizers).

Agenda slides are usually built out of these components:

  • List of Topics: Clearly enumerated or bulleted, each representing a key section of the presentation. They can list or not the slide number in which they are shown.
  • Timings: Optional, but it can be helpful to indicate how long each section is expected to last.
  • Progress Indicator: Visual elements like checkmarks or arrows can show what has been covered and what remains to be done.

Using distinctive headings can keep the slide clean. If we use hyperlinks in PowerPoint for our agenda slide, we can mention them during the speech so there are no abrupt jumps between slides. 

The introduction slide is designed to provide a background or context for the topic presented, delivering the key concepts, theories, or frameworks required to understand the rest of the presentation.

The introduction slide is placed right after the agenda slide. After the concepts of the introduction slide are delivered, a smooth transition can direct the presentation’s flow toward the core concepts of the presentation. In terms of the introduction slide’s components, we can count:

  • Key Concepts: Briefly introduce and define critical concepts or terms that will be recurrent throughout the presentation.
  • Context Setting: Provide any necessary historical, social, or academic context that frames the topic appropriately.
  • Objectives: Clearly outline what the presentation aims to achieve, helping to set the audience’s expectations about the takeaways.
  • Engaging Visuals: Relevant images, icons, or brief animations can help highlight important elements and make the slide more engaging.

In general lines, the introduction slide should have visual elements but not be overwhelming for the audience. The visuals must not distract, and we cannot use bold color combinations that take the focus away from the message. Using diagrams can also help to present key concepts effectively.

At the final stages of a presentation, we can use the summary slide to review all the key points discussed throughout the presentation. It’s typically placed before the closing remarks, “thank you” slide, or Q&A session. Summary slides help recap the information presented, making it easier to process the key takeaways.

Summary slide in a presentation

We can count these elements in a summary slide:

  • Key Points: Summarize the main points covered in a clear, easy-to-read format.
  • Visual Recap: Use simple graphics, charts, or callouts to represent significant data or conclusions visually.
  • Concluding Remark: A sentence or two that encapsulates the overarching message or conclusion of the presentation.

Use consistent styling with the earlier slides for a cohesive aesthetic. You can apply levels of hierarchy to the concepts summarized through color or size variations in text.

When preparing for how to end a presentation , the thank you slide is a formal conclusion format. It is always the last slide available in the presentation, and it offers a moment to express gratitude to the audience for their attention, time, and participation. Let’s review which elements make a successful thank you slide:

  • Thank You Note: A simple, clear expression of gratitude. It doesn’t require fancy graphics.
  • Presenter’s Contact Information: Include an email address, phone number, or social media handles for further communication.
  • Invitation for Questions: A prompt that encourages the audience to engage in discussion or ask questions about the presentation.

The transition between the thank you slide and the questions and answers session has to be smooth. Therefore, it’s vital to put an invitation to questions rather than just signaling the slide as the conclusion. A subtle background that follows the slide deck’s aesthetic is always a plus.

Quote slides integrate wisdom, authority, or inspiration from well-known or respected sources into your presentation. They can provide powerful support for your arguments or serve as a motivational element within your talk.

This type of PowerPoint slide is ideal for emphasizing a point, sparking reflection, or inspiring the audience. Use them to underscore the relevance of an idea or introduce a shift in the presentation’s focus.

The components of the quote slide are:

  • The Quote: Clearly presented and attributed to the speaker or writer. The text should be legible with enough emphasis to stand out.
  • Author’s Name and Credentials: Provide context for the quote by including the author’s name and, if relevant, their credentials or why they are an authority on the topic.
  • Related Imagery or Background: An image or abstract design that complements the theme of the quote can enhance its impact.

Work with a quote PowerPoint template that effectively highlights the quote through a professional layout. For visibility, a strong contrast must be maintained between the text and the background; therefore, text boxes with backgrounds are commonly used. If using an image, select one that enhances rather than competes with the text.

Chart and diagram slides are essential for visually representing data, showing relationships, illustrating processes, and explaining complex systems. They transform numbers and abstract concepts into more digestible graphic formats that enhance audience understanding. We can choose between charts and graphs depending on the kind of data to represent, but diagrams often help to contextualize the raw data for simpler explanations.

Use these slides when discussing data trends, comparisons, workflow processes, or hierarchical structures. They are particularly helpful in business presentations, scientific discussions, and any scenario where visual simplification of complex data is beneficial.

The main components for any chart or diagram slide are:

  • Chart or Diagram: Select the appropriate type (e.g., bar chart, pie chart, flowchart, organizational chart) based on the data or process you are illustrating.
  • Labels and Legends: Essential for clarity, they help the audience understand what each part of the chart or diagram represents.
  • Titles and Subtitles: They clearly indicate what the graphic explains or highlights.
  • Annotations or Callouts: Use these to emphasize key points or data within the chart or diagram.

Keep all text in graphs readable and clear. Animated effects can show a progression or illustrate relationships more dynamically. In terms of colors, use contrasting colors for data sets to aid in differentiation. 

The other format for representing data in presentation slides is tables. Tables can structure data sets systematically and allow for the presentation of detailed data in a comparative and accessible format. For this reason, they are ideal for showing exact figures and relationships between items.

Table types of slide

These slides are especially useful in financial, research, or technical presentations where precise data needs to be compared or detailed specifications have to be presented side by side. We can identify the following elements in table slides:

  • Table: Clearly segmented into rows and columns. Headers should be distinct to guide the viewer through the data.
  • Row and Column Labels: These should describe the data they contain succinctly and clearly.
  • Highlighting: Use shading, bolding, or color-coding to emphasize important data points or trends within the table.
  • Footnotes or Source Citations: If the data comes from external sources or requires additional explanation, include this information in a discreet but readable manner.

In design terms, tables should be kept as neat as possible. All text must be legible, with sufficient spacing and an appropriate font size (no less than 11 pt). Colors can be used to differentiate between data sets, but avoid using too many colors, as they can lead to confusion. 

Sometimes, images aren’t enough. Video presentations and vector image animations are powerful tools, as they can be planned to enhance storytelling. The average duration depends on the total presentation length, but they shouldn’t take more than 30% of the total allotted time (as otherwise, the attendees are just streaming video rather than viewing a presentation).

When it comes to the components of this type of slide, we can find:

  • Embedded Video or Animation: This should be high quality (720p minimum) and directly relevant to the presented content.
  • Playback Controls: Clearly visible to allow easy control during the presentation.
  • Brief Descriptions or Introductions: Provide context or prepare the audience for what they will see.

As a presenter, your job is to ensure the video or animation is seamlessly integrated into the presentation, both technically and from a design perspective. This means testing the playback functionality multiple times prior to the presentation.

We conclude this list with a slide to persuade the audience to take specific action following the presentation. Call-to-action slides, or CTA slides, encourage the viewers to take action, such as further conversation, purchasing an item or service, or participating in a project.

It is typically placed at the end of the presentation, following the summary and thank you slide, to motivate immediate action. Its components are:

  • Clear Directive: The CTA itself should be straightforward and compelling, such as “Register Now,” “Join Us,” or “Visit Our Website.”
  • Reasons to Act: Briefly reiterate the benefits or importance of taking the action, enhancing the persuasive appeal.
  • Contact Information or Links: Provide all necessary links or contact details to make it easy for the audience to know how to act.

The CTA slide should feature a design that grabs attention. Use strong, action-oriented language and a large, readable text. 

As we’ve seen, harnessing the usage of these different types of slides helps us become better presenters, with our message being tailored to specific needs. Create your own slide decks by implementing the guidance listed in this article and customize the slides each time for a unique experience.

Edit the presentation to suit your needs, ask Copilot to add a slide , or start over with a new presentation and refine your prompt to include more specifics. For example, "Create a presentation about hybrid meeting best practices that includes examples for team building.”

With Copilot in PowerPoint, you can create a presentation from an existing Word document. Point Copilot in PowerPoint to your Word document, and it will generate slides, apply layouts, create speaker notes, and choose a theme for you.

Select the Word document you want from the picker that appears. If you don't see the document you want, start typing any part of the filename to search for it.

Note:  If the file picker doesn't appear type a front slash (/) to cause it to pop up.

Best practices when creating a presentation from a Word document

Leverage word styles to help copilot understand the structure of your document.

By using Styles in Word to organize your document, Copilot will better understand your document structure and how to break it up into slides of a presentation. Structure your content under Titles and Headers when appropriate and Copilot will do its best to generate a presentation for you.

Include images that are relevant to your presentation

When creating a presentation, Copilot will try to incorporate the images in your Word document. If you have images that you would like to be brought over to your presentation, be sure to include them in your Word document.

Start with your organization’s template

If your organization uses a standard template, start with this file before creating a presentation with Copilot. Starting with a template will let Copilot know that you would like to retain the presentation’s theme and design. Copilot will use existing layouts to build a presentation for you. PowerPoint and Google Slides are two popular options for presentations, but which one is best? As someone who has used both programs for a long time, I've found that Google Slides offers many advantages that make it my go-to choice.

Let's be clear: I'm comparing the web-based PowerPoint and Google Slides versions. It's unfair to compare Google Slides to the desktop version of PowerPoint, isn't it? Here are some reasons why Google Slides is my favorite presentation tool.

1. Ease of Collaboration

Ease of collaboration was the central reason I switched to Google Slides for my presentation needs. As a content creator, I always aim for a seamless collaboration experience while dealing with my clients and team members. Google Slides offered exactly that, and I was in love with it.

So, is Google Slides better than PowerPoint for collaboration? It certainly has advantages that make it an ideal choice for a lot of users.

With Google Slides, you can efficiently work with others and share your work , no matter what kind of computer or phone you use. If you have a Google account and the link to the presentation, you can join in and make changes simultaneously with other members.

In contrast, to collaborate in PowerPoint, you have to consider various external factors, such as the user's working device and storage locations. For example, you might not be able to easily collaborate with someone who has an older version of PowerPoint, or with someone using a PowerPoint mobile due to feature limitations. Some things that are restricted in the free web and mobile version compared to PowerPoint on desktop include limited commenting tags, editing options, and more.

Additionally, Google Slides also has built-in chat and commenting features. This feature allows all your team members to stay on the same page and communicate with each other to streamline editing. In PowerPoint, you're limited to comments only.

2. Offline Access

Another important reason for my switch to Google Slides is the offline access feature. With this feature, you can create, edit, and present presentations to others even without an internet connection. Any changes you apply offline are synced automatically once you're back online, so you can keep working even without an internet connection.

You can activate offline access by checking the offline mode option in your Google Drive settings.

Also, with Google Slides, you don't need software installed on your computer to access your presentations offline. However, Microsoft PowerPoint requires an internet connection to save changes to OneDrive storage. No internet, no autosave!

3. Integration With Other Google Tools

Switching to Google Slides is easy if you already use Google apps like Docs, Sheet, Meet, and Gmail. They all work well together. You can import charts and tables from Google Sheets into your presentations with just a few clicks. Any modifications to the original data in Google Sheets will automatically be reflected in your Google Slides presentation.

For example, on Google Slides, open the "Insert" tab and navigate to the "Chart" option. From there, click on the "From Sheets" option and import a chart from Google Sheets.

Furthermore, you can add Google Keep notes to your Slides and share your content in Google Meet with Smart Canvas without switching between tabs.

On the other hand, Microsoft PowerPoint integrates with other Microsoft tools, but it's not as seamless as Google Slides and has limited integration capabilities. For example, unlike Google Sheets, which updates data automatically in Slides, PowerPoint requires you to manual refresh to update Excel charts. This means you need to copy and paste the updated chart from Excel to PowerPoint.

4. More Storage Space

Google Slides offers more storage space through Google Drive. With a Google account, you get 15GB of storage shared across Google Photos, Drive, and Gmail. This is significantly more than what Microsoft offers with its free PowerPoint Web version, which only provides 5GB of OneDrive storage. If you create large presentations with many images or videos, Google's extra storage space can be a significant advantage.

Additionally, Google offers affordable plans to upgrade your storage if needed. For example, you can get 100GB of storage for a $20 annual fee, which is perfect for those who create and store a lot of presentations. However, it's important to note that pricing for additional storage might be different depending on your region.

For detailed information, it's best to check your plans manually by clicking the "Get More Storage" option in Drive.

5. Compatibility With PowerPoint

I know what you're thinking—what if I need to work with someone who only uses Microsoft PowerPoint? Fear not; Google Slides has got you covered. You can import and export PowerPoint presentations into Google Slides, making switching between the two platforms easy.

This feature has been a lifesaver for me when I work with my clients or colleagues who use PowerPoint. I can easily collaborate with them and edit their files without any hassle. After making changes, I can save the Google Slides file again as a PowerPoint file.

You can add your PowerPoint file to Google Slides by either uploading it on Drive or directly opening it from the File > Open option.

6. AI Features

You can also use Google AI tools like Gemini to improve your presentations. For example, the Gemini AI feature in Google Slides allows users to generate images and slides based on their prompts. You can access Gemini from the Slides side panel and input your prompts, such as "Create a slide about," and it will generate slides accordingly.

This feature lets you quickly add relevant and visually appealing presentation content without leaving the Google Slides platform. Using Gemini AI, you can also generate background images in various styles, such as Vector art, Photography, Watercolor, and others.

In contrast, Microsoft AI feature tools like Copilot are not available on the PowerPoint web version. To use Copilot and other AI features in PowerPoint requires a paid subscription to either Microsoft 365 or Copilot Pro.

7. Provide Detailed Version History

Both Google Slides and Microsoft PowerPoint allow you to view and restore previously edited versions of your presentation. However, Google Slides stands out with its detailed version history feature. This feature groups certain versions of your presentation together if you make multiple changes over a short period. This makes it easy to find and select the version you need. These group versions are displayed under the Version History panel.

Another notable feature of Google Slides is the ability to name the modified versions. This is quite useful when working on large documents with multiple collaborators, as it can take time to find the version you want, among many others. To rename a version, open the "Version History" panel, click the three-dot icon, and then select "Name This Version" from the dropdown menu.

Once you've named important versions of your presentation, you can filter them by selecting the "Named Versions" option from the drop menu. This will highlight only the renamed versions, along with the current version of the document, making it easy to locate the version you need.

8. Customization Features and Template Options

The web version of Microsoft PowerPoint has limited features compared to the PowerPoint desktop app, which can sometimes be helpful while designing presentations. For example, you can't insert charts or equations in the web version. Additionally, you can't add hyperlinks to pictures or shapes. On the other hand, you can add equations, charts, and hyperlinks to images in Google Slides.

While both platforms offer a good selection of templates, I prefer Google Slides because its templates are user-friendly and easy to customize. It also provides more flexibility when working with themes compared to the web version of PowerPoint.

Google Slides isn't a flawless tool, but for me and many other presentation creators, it not only gets the job done but also has some advantages over PowerPoint. Whether you're a student, team, or regular user, you can use it to make clear and effective presentations.
