Submit Your ETD

Submission deadlines, research repository - login & submission .

  • Go to the  WVU Research Repository
  • Choose "Submit Research" in the left panel
  • Select "Graduate Theses, Dissertations, and Problem Reports"
  • Click "Log in with your WVU ID"
  • Please complete all sections online, paying attention to "Document Type," which will dictate your web distribution as outlined below, as well as "Embargo" options.
  • Please  contact us  if you have questions regarding the submission process. The ETD Office will be happy to help! In-person and telephone appointments are also available.

Web Distribution Options at WVU

Upon completion of the ETD approval process, your thesis or dissertation is deposited into the  Research Repository@WVU . When submitting your ETD paperwork you choose how you would like your ETD to be made available.

Open Access

  • The University and ETD Task Force recommend making your ETD freely available worldwide.  All ETD's submitted with a "Thesis" or "Dissertation" document type will, by default, be open access.
  • Historically, this option was perceived by some publishers as “publishing” the work, thus they may have seen a conflict with this level of distribution of the thesis or dissertation. However, today the vast majority of publishers support the archiving of a thesis or dissertation in an open access institutional repository such as the WVU ETD collection.
  • Students may choose “Open Access” at WVU while simultaneously choosing “Traditional Publishing” option via ProQuest (included in base ETD submission fee) at no additional cost.

Campus Access

  • This is a special exception allowed for MFA Creative Writing program students, activated by selecting the "MFA Creative Writing Thesis" document type.
  • Makes the ETD freely available only to the WVU community (via login to the WVU ETD system) and as requested through the OCLC Interlibrary Loan (ILL) lending program.
  • Access will be provided by interlibrary sharing of electronic or printed copies as requested.
  • Campus only distribution will continue from year to year without special notification for a period of up to five years after the submission date, after which time it will revert to ‘World Wide Distribution’. You may change the Web distribution to “World” access at any time by sending an email to  [email protected] .
  • This option addresses situations such as when a book or article is planned, and the book or journal publisher is concerned that prior publishing through a digital library will negatively impact on sales.
  • Limiting distribution to “Campus Only” is generally accepted to be the equivalent to the “paper copy on the shelf.”
  • Our best advice is for the student to contact prospective publishers to learn about their publishing policy. Many publishers have this information provided on their Web sites; if not, usually a simple email query to the editor will resolve any questions.
  • Select this option by applying an "embargo" to any document type.  You will see embargo options under "Access Options" on the submission form.  The default is "Open Access: no restrictions."  You may change this to "1 year embargo" or either of two options for "Permanent embargo."  A second drop-down requires you specify the reason for an embargo.
  • These options secure the entire work for patent, proprietary, data sensitivity and/or third-party funding sponsorship purposes for a period of one year or permanently.
  • During this period the copyright owner also agrees not to exercise her/his ownership rights, including public use in future works, without prior authorization from West Virginia University.
  • At the end of a one year embargo, either the student or proxy may request an automatic extension for one additional year. 
  • You must include a signed form for  One Year or Permanent embargo with a thesis or dissertation you wish to embargo.
  • Students (or designated proxies) may change the Web distribution to open access at any time by sending an email to  [email protected] .

WVU undergraduate research program boosts retention, especially for marginalized populations

A faculty-mentored undergraduate research program at West Virginia University has led to higher student retention rates than institutional averages, according to a new study . Additionally, data revealed higher retention rates for participants from historically marginalized populations.

T he Research Apprenticeship Program , under the WVU Office of Undergraduate Research , was first implemented in 2017 to provide first- and second-year students with mentored research and creative activities.

Study authors Cinthia Pacheco , director of RAP, and Amy Hessl , director of Undergraduate Research, analyzed data from the program over a five-year period from 2017 to 2022.

A total of 868 students participated in the program in that time frame. Ninety-two percent of first-year students returned to WVU for their second year.

“ Statistics from the five-year period comparing RAP participants to the general student population indicate that RAP has achieved success in recruiting underrepresented students to the program,” Pacheco said. “The percentages of first-generation students, minority students, Black students and low-income students that participated in RAP all exceeded the percentages of these demographic groups attending the University.”

P acheco and Hessl said their study is the first to evaluate the impact of cohort-based undergraduate research engagement on Appalachian students.

Vice President for Research Fred King said programs such as RAP are unique to WVU and the student research experience.

“Our undergraduate students are afforded hands-on experiences and opportunities that cannot be found at most universities in the country,” he said. “The student research experience is truly one of our unique selling points, and that investment has yielded noticeable returns on developing experts and problem solvers that better the world. The Office of Undergraduate Research has helped drive that.”

R AP is a two-semester program that allows any WVU undergraduate to gain course credit and/or earn federal work-study funds. RAP students often get to carry out investigations alongside faculty mentors and make scholarly or artistic contributions to their field of study.

Appalachian students have been shown to face different obstacles to degree completion than students from other regions, according to Pacheco and Hessl.

One student who benefited from the program is Cassidy Kidwell, of Shady Spring, with a population of around 3,000. As an incoming freshman, Kidwell received an email with information on the program.

“I was a music education major and the email specifically mentioned conducting paid research in any field, including music,” Kidwell said. “This really intrigued me. I had also been looking for a job to work in college, so this was the perfect opportunity.”

Kidwell, who just graduated with a bachelor's degree in multidisciplinary studies at the Eberly College of Arts and Sciences ,  conducted research with the aid of faculty on areas ranging from archival work to zine-making to WVU history.

Her involvement in RAP didn’t end after her freshman year. She continued research through her sophomore and junior years as a “RAP graduate,” someone who completed the program but continued to do paid research.

“I was just one of the many lives that they’ve touched at WVU,” Kidwell said of the program. “It was not only my first job in college that helped me financially, but it also provided me with the opportunity to make an amazing connection with a faculty member who encouraged and supported me through my entire college experience, even after I was no longer one of their students. This support also helped me get other jobs on campus, such as being an orientation leader for New Student Orientation through the WVU Office of Admissions .”

Hessl said that dedicated faculty members help make RAP an enriching experience for students in the program.

“Having a connection with a caring adult during their transition to college is a key element of the program,” Hessl said. “In some cases, faculty serve as mentors for life.”

The study found that university connectedness, which is an important variable influencing student retention, plays a key role for Appalachian students, who are reported to have a stronger sense of connection and obligation to their families and communities than their peers from other regions.

Hessl said that several strategies used by RAP can be implemented at other institutions interested in supporting marginalized student groups. Drawing upon available institutional and external resources, such as federal work study and National Science Foundation funding, universities can make undergraduate research more accessible and equitable, she said.

Kidwell will spend the summer as a program assistant for New Student Orientation before heading to The Ohio State University in the fall to pursue her master’s degree in higher education and student affairs.

“I can confidently say I would not be the same person I am today without having been in the RAP Program, not just because of the opportunities I received or the people I met, but because of the enrichment it provided for me as a student and as a future professional. ”

RAP is currently recruiting mentors for Fall 2024 and interested faculty are asked to complete this form .

During April 2024, the contents of the  WVU College of Law community  in the Research Repository @ WVU had 17,875 new full-text downloads of the 5,805 total works archived in our collections. Readers came from 1,372 different institutions across 152 different countries and territories. This brings the total full-text downloads of scholarship from the College of Law collections to 693,550.

The Research Repository @ WVU is an open access digital repository for the collection, management, preservation, and dissemination of intellectual works produced at West Virginia University. It contains scholarly and creative works by faculty, staff, and students and includes journal articles, working papers, technical documents, images, datasets, theses and dissertations, problem reports, honors projects, capstone projects, and open access textbooks. 

The Research Repository can also be used to host journals, publish digital projects, organize and archive conferences and events, and share special collections. It uses Digital Commons software, powered by bepress .

The Research Repository is a service of the WVU Libraries and the WVU Office of Research .

The Research Repository offers several services to support the sharing works by WVU researchers. These include:

  • Faculty Deposit Service: The WVU Libraries are currently piloting a service to review faculty publications for copyright permissions and upload eligible works to the Research Repository. To participate in this program, please contact us .

WVU research program boosts retention

MORGANTOWN — A faculty-mentored undergraduate research program at West Virginia University has led to higher student retention rates than institutional averages, according to a new study. Additionally, data revealed higher retention rates for participants from historically marginalized populations.

The Research Apprenticeship Program, under the WVU Office of Undergraduate Research, was first implemented in 2017 to provide first- and second-year students with mentored research and creative activities.

Study authors Cinthia Pacheco, director of RAP, and Amy Hessl, director of Undergraduate Research, analyzed data from the program over a five-year period from 2017 to 2022.

A total of 868 students participated in the program in that time frame. Ninety-two percent of first-year students returned to WVU for their second year.

“Statistics from the five-year period comparing RAP participants to the general student population indicate that RAP has achieved success in recruiting underrepresented students to the program,” Pacheco said. “The percentages of first-generation students, minority students, Black students and low-income students that participated in RAP all exceeded the percentages of these demographic groups attending the University.”

Pacheco and Hessl said their study is the first to evaluate the impact of cohort-based undergraduate research engagement on Appalachian students.

Vice President for Research Fred King said programs such as RAP are unique to WVU and the student research experience.

“Our undergraduate students are afforded hands-on experiences and opportunities that cannot be found at most universities in the country,” he said. “The student research experience is truly one of our unique selling points, and that investment has yielded noticeable returns on developing experts and problem solvers that better the world. The Office of Undergraduate Research has helped drive that.”

RAP is a two-semester program that allows any WVU undergraduate to gain course credit and/or earn federal work-study funds. RAP students often get to carry out investigations alongside faculty mentors and make scholarly or artistic contributions to their field of study.

Appalachian students have been shown to face different obstacles to degree completion than students from other regions, according to Pacheco and Hessl.

One student who benefited from the program is Cassidy Kidwell, of Shady Spring, with a population of around 3,000. As an incoming freshman, Kidwell received an email with information on the program.

“I was a music education major and the email specifically mentioned conducting paid research in any field, including music,” Kidwell said. “This really intrigued me. I had also been looking for a job to work in college, so this was the perfect opportunity.”

Kidwell, who just graduated from the WVU College of Creative Arts, conducted research with the aid of faculty on areas ranging from archival work to zine-making to WVU history.

Her involvement in RAP didn’t end after her freshman year. She continued research through her sophomore and junior years as a “RAP graduate,” someone who completed the program but continued to do paid research.

“I was just one of the many lives that they’ve touched at WVU,” Kidwell said of the program. “It was not only my first job in college that helped me financially, but it also provided me with the opportunity to make an amazing connection with a faculty member who encouraged and supported me through my entire college experience, even after I was no longer one of their students. This support also helped me get other jobs on campus, such as being an orientation leader for New Student Orientation through the WVU Office of Admissions.”

Hessl said that dedicated faculty members help make RAP an enriching experience for students in the program.

“Having a connection with a caring adult during their transition to college is a key element of the program,” Hessl said. “In some cases, faculty serve as mentors for life.”

The study found that university connectedness, which is an important variable influencing student retention, plays a key role for Appalachian students, who are reported to have a stronger sense of connection and obligation to their families and communities than their peers from other regions.

Hessl said that several strategies used by RAP can be implemented at other institutions interested in supporting marginalized student groups. Drawing upon available institutional and external resources, such as federal work study and National Science Foundation funding, universities can make undergraduate research more accessible and equitable, she said.

Kidwell is graduating with a bachelor’s of multidisciplinary studies in music, leadership studies, and women’s and gender studies. She will spend the summer as a program assistant for New Student Orientation before heading to The Ohio State University in the fall to pursue her master’s degree in higher education and student affairs.

“I can confidently say I would not be the same person I am today without having been in the RAP Program, not just because of the opportunities I received or the people I met, but because of the enrichment it provided for me as a student and as a future professional.
