For some changes to be made we may need you to send us some evidence. Each section will provide more detail about what evidence may be required for each change and if the evidence can be uploaded via your online account.

You can change your uni, college or course details through your online account. Check out our walk-through film to find out how easy it is to update, you only need 5 minutes.

Updating your student finance application

If you’re unable to make the change online, you can upload a completed CO1 Form to your online account and we can make these changes for you. Check out our film for more information on how to upload your evidence.

It can take 6 to 8 weeks to approve any changes to these details. It’s important to make any changes as soon as possible.

To change your name, we’ll need a covering letter with a clear photocopy of one of the following to show the reason for your name change:

Change of Name Deed (COND) – An un-enrolled COND is accepted, we do not need an enrolled COND.

The covering letter must be signed and dated by you, confirming what change is to be made and the reason for the change, otherwise we’ll not be able to make the requested change.

To change your title, we’ll need a covering letter with a clear photocopy of one of the following to show your correct title:

Change of Name Deed (COND)

We do not require a Gender Recognition Certificate to be sent to us.

The covering letter must be signed and dated by you, it should include details of the required change and any request for your name and title to be updated on SLC’s records. If the letter is not signed and dated, we’ll not be able to make the requested change.

Date of birth

Changes to your date of birth cannot be made through your online account as we require original evidence plus a signed and dated cover letter requesting the change. You should also include your customer reference number in the covering letter – if you have one, you can find this on your online account. Find out what evidence you can send us below.

a letter from your doctor on headed paper containing your full name and your correct date of birth

a copy of your medical records that clearly show your full name and your correct date of birth, this must be signed and dated by your doctor

Place of birth

The only way to update your place of birth is by the writing to us requesting the change. Please include your name, customer reference number (CRN), the date and your signature on the letter.

You may also be required to send evidence of your correct place of birth if we do not already have the evidence on file.

Nationality

Do not worry if you have entered the wrong nationality on your application.

Once you have submitted your identity evidence as part of your application, we’ll automatically update your nationality on your account to match what is on your ID.

Bank details

You can change your bank details by signing into your online account and selecting the ‘Your finance’ section. Then select ‘View and update your bank details’ to change them as shown below.

A few points to remember:

We can only make payments to a UK bank or building society account.

The account must be in your own name – we cannot make payments into third party accounts under any circumstance.

If you are expecting a payment – we require 4 working days’ notice to change your bank details so that the payment is made to your new bank account. Any changes made within this time will not take effect before the payment is due.

What is a Student Finance Cover Letter?

When you start applying to university, you will come across the term “student finance” a lot. Especially if you’re the first in your family to attend university, this term can be confusing. Since you have to apply for student finance before you start university, the process of applying can seem quite complicated. One of the parts of this process is a student finance cover letter. However, if this term is new to you, you’ll definitely be asking: what exactly is a student finance cover letter?

A student finance cover letter can also be referred to as an evidence cover letter. You can be asked to send the letter as part of your application along with the evidence you are submitting. Your evidence cover letter can be brief but will need to have your Customer Reference Number (CRN), your name as well as your current address. This makes it easier to link the evidence enclosed to your student finance account.

Where is your evidence cover letter on your student finance account?

After you have submitted your evidence, you can be asked to attach the evidence cover letter from your account. In this case, you should submit the letter online or in through the post to Student Finance England.

Uploading the evidence cover letter should be done the same way that you upload your other documents of evidence. You can download the evidence cover letter when logged into your student finance account .

You should only upload a cover letter or any other types of evidence to your account when asked to. If uploaded otherwise it can cause a delay in your application.

To start uploading evidence, you must first sign into your student finance account. You must then select the type of application. This will most likely be the ‘Undergraduate student finance applications’.

This is a separate application to the Disabled Students’ Allowance application which requires a different form and an additional cover letter. You can find out more about this on this gov.uk page here .

After you have selected this, you can view all the current undergraduate applications in your account. Choose your most recent application unless the evidence is for a specific year.

Under the section heading ‘Manage your student finance’, you will find the option to ‘Upload supporting evidence’. This is where your evidence can be uploaded and submitted.

As well as uploading evidence, you can use your student finance account to change any details in your application. This video here from Student Finance England shows you how.

What evidence must be submitted for student finance applications?

There are two types of evidence that must be submitted when you apply for student finance for the first time. These are proof of identity and household income information.

Proof of identity is the first step to checking if you are eligible for student finance. You will normally submit a copy of your valid passport details when you apply.

If you are an international student, you can send your valid non-UK passport. You may also be asked to submit Home Office documents.

If you do not have a valid UK passport, you will need to send your UK birth or adoption certificate. When sending your certificate by post, you will need to include your name and address as well as your customer reference number.

How does household income affect your student finance application?

Your household income details are very important when determining how much maintenance loan you are eligible for. You can find out more about maintenance loans here on Think Student.

What is considered as household income changes based on your individual circumstances such as your age and who you are dependent on.

For most undergraduate students, household income includes your parents’ income and any income from your own savings or investments.

To give details of your household income, your parent must create a separate student finance account to you. You can create an account here .

Once your parent has signed in, they will need to provide the correct information about any personal taxable income and any income you may receive from savings/investments. Your parent will most likely have to send photocopies of their P60 or payslips.

This information will then be reviewed by the HMRC and will take about two weeks.

What evidence is needed to apply for CPR support?

CPR stands for Compelling Personal Reasons. CPR refers to when a student has to suspend their studies or change their course due to a personal situation like bereavement or health issues. If you are eligible for CPR support, you can receive additional funding.

To apply for CPR funding, you must submit both a covering letter and a form of evidence from a professional. You will need to reapply each year for compelling personal reasons in order to gain the additional year of funding.

Your CPR application acceptance is highly dependent on your cover letter. This cover letter will be structured very differently to the evidence cover letter and should not be as brief. The purpose of the cover letter is to explain why your CPR should be taken into consideration and why you should receive funding as a result of it.

When writing your cover letter, you should remember to include the following details:

  • Your personal details – this includes standard information like your full name, date of birth and your CRN as well as your contact details.
  • Key dates – this refers to which year/years you would like to be considered for CPR support and when you suspended your studies and when you plan on resuming your studies.
  • Your CPR – this can be due to health issues, family issues or more but it is important to state your reasons clearly so SFE can assess the complete situation.
  • Changes to your circumstances – if there is progress in your circumstances, you are more likely to be successful when you return to your studies.

The evidence from a professional as well as the cover letter confirms the difficulties you have experienced and how they have disrupted your studies.

How to find the contact’s name?

Addressing the recruitment contact by name is an excellent way to start building a strong relationship. If it is not listed in the job advert, try these methods to find it.

  • Check out the company website and look at their  About page. If you see a hiring manager, HR person or internal recruiter, use their name. You could also try to figure out who would be your manager in the role and use their name.
  • Head to LinkedIn , search for the company and scan through the list of employees. Most professionals are on LinkedIn these days, so this is a good bet.

Identify the role you are applying for

Now that you have warmed the recruiter up with a friendly greeting, firstly you need to let them know which role you are applying for.

Sometimes a recruitment consultant will be juggling 10 or 10 vacancies, so it’s important to specify which one you are applying to.

Give us much detail as possible (team/department, role title etc.) and paste in the reference number if you have one.

If you need to provide evidence of your identity

When you apply for the first time, you’ll need to provide details or evidence to confirm your identity. Most identity evidence can’t be a digital copy and must be valid on the date we receive it.

When we need to see your original identity evidence, this must be sent by post.

I’m a UK national, what can I send?

If you have a valid UK passport, you can give us these details when you apply. If you don’t have a valid UK passport, you can:

  • upload a copy of your UK birth or adoption certificate (both long and short versions are acceptable) to your online account
  • send us a photocopy of your UK birth or adoption certificate (both long and short versions are acceptable)
  • send us your original certificate of Naturalisation/Registration

I’m an EU/EEA national, what can I send?

If you’ve been granted a status under the EU Settlement Scheme you need to provide us with a share code to prove your immigration and identity status . You don’t need to send us a passport.

If you’ve not been granted a status under the EU Settlement Scheme then you should send us one of the following:

If your parents or partner are asked to provide evidence of their income

We usually don’t ask your parents or partner to provide evidence of their income once they’ve supported your application, we’ll get their details from HRMC. We may contact them to ask for evidence of their:

  • marital status – if they’re separated or divorced
  • income – if they’re living abroad or finalising their current year income assessment
  • private pension contributions
  • additional voluntary contributions.

You should only upload financial evidence if we’ve asked for it. Uploading evidence such as your P60 or Tax Return when this wasn’t needed will cause delays to the student finance application.

If you’re asked for evidence, we accept digital copies as long as they’re clear and readable. The quickest and easiest way to provide financial evidence is by uploading it via your parent’s or partner’s online account.

If you or your parents need to provide evidence of marital status

When you first apply for student finance, we may need to confirm your or your parent’s marital status; to do this we need you to give us evidence.

If you or your parent indicate that you’re single, usually we won’t ask you to provide evidence. Digital copies of evidence are acceptable as long as they’re clear and readable.

If you or your parents tell us the wrong martial status, we may need evidence before we can update your status.

Evidence to prove that you’ll be under the age of 25 years old at the start of the academic year and married or in a civil partnership

Examples of evidence you can provide to confirm your marital status include:

  • marriage certificate
  • civil partnership documentation

Evidence to prove that you or your parents are separated, divorced, or have a dissolved civil partnership

Examples of evidence you or your parent can provide to confirm marital status include:

  • decree nisi or decree absolute
  • final or conditional order
  • civil partnership conditional order
  • a signed and dated letter from your solicitor confirming your status
  • a signed affidavit
  • statutory declaration
  • most recent Council Tax bill with an acceptable discount

If your or your parent’s marital status remains the same throughout your studies, we’ll only need this evidence in the first academic year of your course.

I have recently seen your advert for a Student Finance Officer/Administrator and would be very interested in applying for this role, I have attached my CV.

I have always had an interest in the finance world and always enjoyed working with numbers and feel that I have a head for figures. I have also got a solid background in administration and feel that combining the two would be an extremely interesting role.

I have had a lot of experience in customer services over the years and enjoy helping customers therefore I feel that I will be able to communicate well with the students on campus and provide advice, help and support to them.

I have excellent administration skills, am computer literate and pick up new systems quickly. I feel that I am accurate in my work and always ensure that my work is completed to a high standard. I would like to continue my career with some element of finance and this role sounds very suited to my skills and knowledge.
