Dissertation Structure & Layout 101: How to structure your dissertation, thesis or research project.

So, you’ve got a decent understanding of what a dissertation is , you’ve chosen your topic and hopefully you’ve received approval for your research proposal . Awesome! Now its time to start the actual dissertation or thesis writing journey.

To craft a high-quality document, the very first thing you need to understand is dissertation structure . In this post, we’ll walk you through the generic dissertation structure and layout, step by step. We’ll start with the big picture, and then zoom into each chapter to briefly discuss the core contents. If you’re just starting out on your research journey, you should start with this post, which covers the big-picture process of how to write a dissertation or thesis .

Dissertation structure and layout - the basics

*The Caveat *

In this post, we’ll be discussing a traditional dissertation/thesis structure and layout, which is generally used for social science research across universities, whether in the US, UK, Europe or Australia. However, some universities may have small variations on this structure (extra chapters, merged chapters, slightly different ordering, etc).

So, always check with your university if they have a prescribed structure or layout that they expect you to work with. If not, it’s safe to assume the structure we’ll discuss here is suitable. And even if they do have a prescribed structure, you’ll still get value from this post as we’ll explain the core contents of each section.

As I mentioned, some universities will have slight variations on this structure. For example, they want an additional “personal reflection chapter”, or they might prefer the results and discussion chapter to be merged into one. Regardless, the overarching flow will always be the same, as this flow reflects the research process , which we discussed here – i.e.:

  • The introduction chapter presents the core research question and aims .
  • The literature review chapter assesses what the current research says about this question.
  • The methodology, results and discussion chapters go about undertaking new research about this question.
  • The conclusion chapter (attempts to) answer the core research question .

In other words, the dissertation structure and layout reflect the research process of asking a well-defined question(s), investigating, and then answering the question – see below.

To restate that – the structure and layout of a dissertation reflect the flow of the overall research process . This is essential to understand, as each chapter will make a lot more sense if you “get” this concept. If you’re not familiar with the research process, read this post before going further.

Right. Now that we’ve covered the big picture, let’s dive a little deeper into the details of each section and chapter. Oh and by the way, you can also grab our free dissertation/thesis template here to help speed things up.

The title page of your dissertation is the very first impression the marker will get of your work, so it pays to invest some time thinking about your title. But what makes for a good title? A strong title needs to be 3 things:

  • Succinct (not overly lengthy or verbose)
  • Specific (not vague or ambiguous)
  • Representative of the research you’re undertaking (clearly linked to your research questions)

Typically, a good title includes mention of the following:

  • The broader area of the research (i.e. the overarching topic)
  • The specific focus of your research (i.e. your specific context)
  • Indication of research design (e.g. quantitative , qualitative , or  mixed methods ).

For example:

A quantitative investigation [research design] into the antecedents of organisational trust [broader area] in the UK retail forex trading market [specific context/area of focus].

Again, some universities may have specific requirements regarding the format and structure of the title, so it’s worth double-checking expectations with your institution (if there’s no mention in the brief or study material).

Acknowledgements

This page provides you with an opportunity to say thank you to those who helped you along your research journey. Generally, it’s optional (and won’t count towards your marks), but it is academic best practice to include this.

So, who do you say thanks to? Well, there’s no prescribed requirements, but it’s common to mention the following people:

  • Your dissertation supervisor or committee.
  • Any professors, lecturers or academics that helped you understand the topic or methodologies.
  • Any tutors, mentors or advisors.
  • Your family and friends, especially spouse (for adult learners studying part-time).

There’s no need for lengthy rambling. Just state who you’re thankful to and for what (e.g. thank you to my supervisor, John Doe, for his endless patience and attentiveness) – be sincere. In terms of length, you should keep this to a page or less.

Abstract or executive summary

The dissertation abstract (or executive summary for some degrees) serves to provide the first-time reader (and marker or moderator) with a big-picture view of your research project. It should give them an understanding of the key insights and findings from the research, without them needing to read the rest of the report – in other words, it should be able to stand alone .

For it to stand alone, your abstract should cover the following key points (at a minimum):

  • Your research questions and aims – what key question(s) did your research aim to answer?
  • Your methodology – how did you go about investigating the topic and finding answers to your research question(s)?
  • Your findings – following your own research, what did do you discover?
  • Your conclusions – based on your findings, what conclusions did you draw? What answers did you find to your research question(s)?

So, in much the same way the dissertation structure mimics the research process, your abstract or executive summary should reflect the research process, from the initial stage of asking the original question to the final stage of answering that question.

In practical terms, it’s a good idea to write this section up last , once all your core chapters are complete. Otherwise, you’ll end up writing and rewriting this section multiple times (just wasting time). For a step by step guide on how to write a strong executive summary, check out this post .

Table of contents

This section is straightforward. You’ll typically present your table of contents (TOC) first, followed by the two lists – figures and tables. I recommend that you use Microsoft Word’s automatic table of contents generator to generate your TOC. If you’re not familiar with this functionality, the video below explains it simply:

If you find that your table of contents is overly lengthy, consider removing one level of depth. Oftentimes, this can be done without detracting from the usefulness of the TOC.

Right, now that the “admin” sections are out of the way, its time to move on to your core chapters. These chapters are the heart of your dissertation and are where you’ll earn the marks. The first chapter is the introduction chapter – as you would expect, this is the time to introduce your research…

It’s important to understand that even though you’ve provided an overview of your research in your abstract, your introduction needs to be written as if the reader has not read that (remember, the abstract is essentially a standalone document). So, your introduction chapter needs to start from the very beginning, and should address the following questions:

  • What will you be investigating (in plain-language, big picture-level)?
  • Why is that worth investigating? How is it important to academia or business? How is it sufficiently original?
  • What are your research aims and research question(s)? Note that the research questions can sometimes be presented at the end of the literature review (next chapter).
  • What is the scope of your study? In other words, what will and won’t you cover ?
  • How will you approach your research? In other words, what methodology will you adopt?
  • How will you structure your dissertation? What are the core chapters and what will you do in each of them?

These are just the bare basic requirements for your intro chapter. Some universities will want additional bells and whistles in the intro chapter, so be sure to carefully read your brief or consult your research supervisor.

If done right, your introduction chapter will set a clear direction for the rest of your dissertation. Specifically, it will make it clear to the reader (and marker) exactly what you’ll be investigating, why that’s important, and how you’ll be going about the investigation. Conversely, if your introduction chapter leaves a first-time reader wondering what exactly you’ll be researching, you’ve still got some work to do.

Now that you’ve set a clear direction with your introduction chapter, the next step is the literature review . In this section, you will analyse the existing research (typically academic journal articles and high-quality industry publications), with a view to understanding the following questions:

  • What does the literature currently say about the topic you’re investigating?
  • Is the literature lacking or well established? Is it divided or in disagreement?
  • How does your research fit into the bigger picture?
  • How does your research contribute something original?
  • How does the methodology of previous studies help you develop your own?

Depending on the nature of your study, you may also present a conceptual framework towards the end of your literature review, which you will then test in your actual research.

Again, some universities will want you to focus on some of these areas more than others, some will have additional or fewer requirements, and so on. Therefore, as always, its important to review your brief and/or discuss with your supervisor, so that you know exactly what’s expected of your literature review chapter.

Dissertation writing

Now that you’ve investigated the current state of knowledge in your literature review chapter and are familiar with the existing key theories, models and frameworks, its time to design your own research. Enter the methodology chapter – the most “science-ey” of the chapters…

In this chapter, you need to address two critical questions:

  • Exactly HOW will you carry out your research (i.e. what is your intended research design)?
  • Exactly WHY have you chosen to do things this way (i.e. how do you justify your design)?

Remember, the dissertation part of your degree is first and foremost about developing and demonstrating research skills . Therefore, the markers want to see that you know which methods to use, can clearly articulate why you’ve chosen then, and know how to deploy them effectively.

Importantly, this chapter requires detail – don’t hold back on the specifics. State exactly what you’ll be doing, with who, when, for how long, etc. Moreover, for every design choice you make, make sure you justify it.

In practice, you will likely end up coming back to this chapter once you’ve undertaken all your data collection and analysis, and revise it based on changes you made during the analysis phase. This is perfectly fine. Its natural for you to add an additional analysis technique, scrap an old one, etc based on where your data lead you. Of course, I’m talking about small changes here – not a fundamental switch from qualitative to quantitative, which will likely send your supervisor in a spin!

You’ve now collected your data and undertaken your analysis, whether qualitative, quantitative or mixed methods. In this chapter, you’ll present the raw results of your analysis . For example, in the case of a quant study, you’ll present the demographic data, descriptive statistics, inferential statistics , etc.

Typically, Chapter 4 is simply a presentation and description of the data, not a discussion of the meaning of the data. In other words, it’s descriptive, rather than analytical – the meaning is discussed in Chapter 5. However, some universities will want you to combine chapters 4 and 5, so that you both present and interpret the meaning of the data at the same time. Check with your institution what their preference is.

Now that you’ve presented the data analysis results, its time to interpret and analyse them. In other words, its time to discuss what they mean, especially in relation to your research question(s).

What you discuss here will depend largely on your chosen methodology. For example, if you’ve gone the quantitative route, you might discuss the relationships between variables . If you’ve gone the qualitative route, you might discuss key themes and the meanings thereof. It all depends on what your research design choices were.

Most importantly, you need to discuss your results in relation to your research questions and aims, as well as the existing literature. What do the results tell you about your research questions? Are they aligned with the existing research or at odds? If so, why might this be? Dig deep into your findings and explain what the findings suggest, in plain English.

The final chapter – you’ve made it! Now that you’ve discussed your interpretation of the results, its time to bring it back to the beginning with the conclusion chapter . In other words, its time to (attempt to) answer your original research question s (from way back in chapter 1). Clearly state what your conclusions are in terms of your research questions. This might feel a bit repetitive, as you would have touched on this in the previous chapter, but its important to bring the discussion full circle and explicitly state your answer(s) to the research question(s).

Dissertation and thesis prep

Next, you’ll typically discuss the implications of your findings . In other words, you’ve answered your research questions – but what does this mean for the real world (or even for academia)? What should now be done differently, given the new insight you’ve generated?

Lastly, you should discuss the limitations of your research, as well as what this means for future research in the area. No study is perfect, especially not a Masters-level. Discuss the shortcomings of your research. Perhaps your methodology was limited, perhaps your sample size was small or not representative, etc, etc. Don’t be afraid to critique your work – the markers want to see that you can identify the limitations of your work. This is a strength, not a weakness. Be brutal!

This marks the end of your core chapters – woohoo! From here on out, it’s pretty smooth sailing.

The reference list is straightforward. It should contain a list of all resources cited in your dissertation, in the required format, e.g. APA , Harvard, etc.

It’s essential that you use reference management software for your dissertation. Do NOT try handle your referencing manually – its far too error prone. On a reference list of multiple pages, you’re going to make mistake. To this end, I suggest considering either Mendeley or Zotero. Both are free and provide a very straightforward interface to ensure that your referencing is 100% on point. I’ve included a simple how-to video for the Mendeley software (my personal favourite) below:

Some universities may ask you to include a bibliography, as opposed to a reference list. These two things are not the same . A bibliography is similar to a reference list, except that it also includes resources which informed your thinking but were not directly cited in your dissertation. So, double-check your brief and make sure you use the right one.

The very last piece of the puzzle is the appendix or set of appendices. This is where you’ll include any supporting data and evidence. Importantly, supporting is the keyword here.

Your appendices should provide additional “nice to know”, depth-adding information, which is not critical to the core analysis. Appendices should not be used as a way to cut down word count (see this post which covers how to reduce word count ). In other words, don’t place content that is critical to the core analysis here, just to save word count. You will not earn marks on any content in the appendices, so don’t try to play the system!

Time to recap…

And there you have it – the traditional dissertation structure and layout, from A-Z. To recap, the core structure for a dissertation or thesis is (typically) as follows:

  • Acknowledgments page

Most importantly, the core chapters should reflect the research process (asking, investigating and answering your research question). Moreover, the research question(s) should form the golden thread throughout your dissertation structure. Everything should revolve around the research questions, and as you’ve seen, they should form both the start point (i.e. introduction chapter) and the endpoint (i.e. conclusion chapter).

What are headings?

Headings, sections, subsections, or levels of subordination are a style of dividing your research paper into major parts, then minor subsections. Most college papers do not need headings, especially if you are only producing two to five pages. However, if your professor requests you use headings or your are writing an especially long or detailed paper, then use headings to help readers navigate your text. Follow the APA style rules for creating the correct level of heading. Always start with a level one heading and drill down to the last subsection possible (five) in order as seen below. Instructions and examples for headings are available on p. 47- 49 of the new APA 7th Edition manual.

Proper Title Case vs. lowercase paragraph heading

Proper title case is using both uppercase and lowercase letters in a title. It calls for the major words to be capitalized while any small conjunctions are made smaller, i.e., 

The Title of this Paper is Lengthy

Lowercase paragraph heading calls for the first word to be capitalized along with any proper nouns contained within the heading, i.e., 

        The title of this heading is much shorter and all lowercase except for the first word.

What are headings?

Headings are used to effectively organize ideas within a study or manuscript.  It can also highlight important items, themes or topics within sections.  By creating concise headings, the reader can anticipate key points and track the development of your argument.  The heading levels establish the hierarchy of each section and are designated by their formatting.

  • If you need to use subsections in any given section, use a least two, otherwise omit their use.
  • Do not label headings with numbers or letters
  • Use of title case : Use of both upper and lower case letters, all major words are capitalized
  • Paragraph headings are immediately followed by text for that subsection, rather than starting on a new line.  The heading sits at the start of the first paragraph for that section.

APA Style uses a unique headings system to separate and classify paper sections. Headings are used to help guide the reader through a document. The levels are organized by levels of subordination, and each section of the paper should start with the highest level of heading. There are 5  heading levels  in APA. Regardless of the number of levels, always use the headings in order, beginning with level 1. The format of each level is illustrated below:

Thus, if the article has four sections, some of which have subsections and some of which don’t, use headings depending on the level of subordination. Section headings receive level one format. Subsections receive level two format. Subsections of subsections receive level three format. For example:

In APA Style, the Introduction section never gets a heading and headings are not indicated by letters or numbers. For subsections in the beginning of a paper (introduction section), the first level of subsection will use Level 2 headings — the title of the paper counts as the Level 1 heading. Levels of headings will depend upon the length and organization of your paper. Regardless, always begin with level one headings and proceed to level two, etc.

Special headings called section labels are used for certain sections of a paper which always start on a new page.

  • Paper title
  • Appendix A (and so on for subsequent appendices)

These labels should be positioned on their own line at the top of the page where the section starts, in bold and centered. 

APA also allows for seriation in the body text to help authors organize and present key ideas. For lists where a specific order or numbered procedure is necessary, use an Arabic numeral directly followed by a period, such as:

On the basis of four generations of usability testing on the Purdue OWL, the Purdue OWL Usability Team recommended the following:

  • Move the navigation bar from the right to the left side of the OWL pages.
  • Integrate branded graphics (the Writing Lab and OWL logos) into the text on the OWL homepage.
  • Add a search box to every page of the OWL.
  • Develop an OWL site map.
  • Develop a three-tiered navigation system.

Numbered lists should contain full sentences or paragraphs rather than phrases. The first word after each number should be capitalized, as well as the first word in any following sentence; each sentence should end with a period or other punctuation.

For lists that do not communicate hierarchical order or chronology, use bullets:

In general, participants found the user-centered OWL mock up to be easier to use. What follows are samples of participants' responses:

  • "This version is easier to use."
  • "Version two seems better organized."
  • "It took me a few minutes to learn how to use this version, but after that, I felt more comfortable with it."

Authors may also use seriation for paragraph length text.

For seriation within sentences, authors may use letters:

On the basis of research conducted by the usability team, OWL staff have completed (a) the OWL site map; (b) integrating graphics with text on the OWL homepage; (c) search boxes on all OWL pages except the orange OWL resources (that is pending; we do have a search page); (d) moving the navigation bar to the left side of pages on all OWL resources except in the orange area (that is pending); (e) piloting the first phase of the three-tiered navigation system, as illustrated in the new Engagement section.

Authors may also separate points with bullet lists:

On the basis of the research conducted by the usability team, OWL staff have completed

If your bulleted list is part of the sentence and is not preceded by a colon, treat the bullets like a part of the sentence, adhering to standard capitalization and punctuation. This option is helpful for complex or longer bulleted sentences that may be more difficult to read without the aid of punctuation. For items in a bulleted list that are phrases rather than sentences, no punctuation is necessary.

Before we can set up headings, we'll need to define the format of the text that  isn't  a heading. The "styles" in word set some default formatting for text. Setting up the "Normal" style will create a default font setting to keep the text uniform throughout the document. The Styles pane is located under the HOME tab.

Right click on the "Normal" style to open the Modify option.

This will open a Modify Style Dialog Box. Start by changing the Paragraph formatting. This is located by selecting the Format drop down in the bottom left of the Dialog Box.

There are two things that should be set under the Paragraph settings. Under the INDENTS AND SPACING tab, check to turn on "Don't add space between paragraphs of the same style." Under the LINE AND PAGE BREAKS tab, check to turn on the "Widow/Orphan Control."

Once both of those have been set and you click "okay," you'll be returned to the Modify Style Dialog Box. Now we can set the font formatting. Select the font you wish to use throughout the document, change the font size to 12 point, ensure the line spacing is double spaced, and select the option to remove space between paragraphs (this is indicated by two lines pointing towards each other).

Adding Headings & Subheadings

Inserting headings and subheadings.

Using the same technique we can create a standard for the various types of headings and subheadings used across the thesis. The Thesis & Dissertation Manual generally follows APA style for heading levels. In order to keep headings consistently correct and link the Table of Contents, the Styles function in Word is used. This is going to show you some examples of the formatting required for the headings and how to use the various heading levels. We'll also see how to use styles and update your Table of Contents. 

Modifying Heading Levels to Match Required Formatting

Level 1 headings.

Chapters will be linked to Heading Level 1. If you choose not to have chapters, you will use level 1 for your major headings (typically: Introduction, Literature Review, Methods, etc.). They should be typed in title case, center aligned, and bold. The number of the chapter can be in Arabic or Roman numerals or spelled out so long as it is consistently done throughout the document. The heading should be on one line, so if you are using chapters, it should look something like this:

Once you have formatted a chapter heading, select the text of the chapter heading then right click on Heading 1 in the Styles pane and select "Update Heading 1 to Match Selection."

Adding More Level 1 Headings

Once you have formatted the first heading and updated the style, you simply need to type the new level 1 heading in title case and then, with your cursor in line with the heading, click on the heading 1 button in the styles pane to format it and link it for your table of contents. Make sure to use this feature every time to ensure all headings are properly linked to your table of contents.

Level 2 Headings

Subsections of your major headings should be the next level down. Level 2 headings will be left aligned, bold, and title case. They should look like this:

Adding More Level 2 Headings

Level 3 Headings

If you wish to further subsection your paper, you will use level 3 headings. Level 3 headings will be bold italic, left aligned, and title case. They should look like this:

Adding More Level 3 Headings

Level 4 & 5 Headings (and beyond)

It is common to find the first 3 heading levels in papers that are as long as a thesis or dissertation. Occasionally, you may find the need to go beyond those levels. It is important to note that for the thesis and dissertation, only the first 3 headings should be included in the table of contents. It is also recommended that you only use the styles function for the first 3 headings because they stand alone on their own line of text. The next heading levels will begin on the same line as the paragraph that starts that section which means that the style function will not work properly. If you were to link the heading, the entire paragraph will appear in your table of contents.

This means that you will need to, carefully, ensure you are formatting the headings manually. Each level should be consistently formatted the same way. APA has standards for levels 4 & 5 which are described here. For heading levels beyond level 5, you should pick a consistent formatting that clearly indicates they are a subsection of the level 5 heading. It is also recommended that you carefully evaluate if this level of heading is truly necessary for your writing.

Level 4 Heading

Level 4 headings will begin on the same line of the paragraph that makes up the section. It will be indented 0.5", much like a normal paragraph indent. The heading will be in title case and bold font with a period at the end of the heading:

            Level Four Heading Here.  Start the first sentence of the paragraph that follows the heading on the same line and continue typing. Lorem ipsum dolor sit amet, consectetur adipiscing elit. Nunc at pellentesque massa. Sed nec urna nec est efficitur iaculis. Etiam efficitur velit id dignissim eleifend. Duis euismod, nisi sed cursus sodales, sem nisi porttitor ante, eu dignissim justo tortor nec mauris.

Level 5 Heading

Level 5 headings will begin on the same line of the paragraph that makes up the section. It will be indented 0.5", much like a normal paragraph indent. The heading will be in title case and bold italic font with a period at the end of the heading:

            Level Five Heading Here.   Start the first sentence of the paragraph that follows the heading on the same line and continue typing. Lorem ipsum dolor sit amet, consectetur adipiscing elit. Table of Contents

Once you have added headings and used the styles feature, you will be able to use the word function to "generate" a table of contents. You will need to type "Table of Contents" in bold font, centered at the top of the page you will be inserting your table of contents onto. Then, place your cursor on the next line

From the References tab, click on Table of Contents and select Custom Table of Contents...

From the pop up window, you will want to change the tab leaders to (none) rather than the default. The rest of the default settings will be fine, so click ok once you've done so.

This will populate your table of contents.

From here, you will need to open the style pane to modify some of the formatting of the table of contents.

You will need to locate TOC 1 and click on it, and select "modify" from the drop down list.

TOC 1 style should be bold. If you've properly set up your "normal style" of font (see above), this should be the only modification to your TOC styles that you need to make. If the text is not properly set up and you need to further format it, you can do so from this window.

If set up correctly, your table of contents should look like the image below.

A thesis or dissertation outline is one of the most critical early steps in your writing process . It helps you to lay out and organise your ideas and can provide you with a roadmap for deciding what kind of research you’d like to undertake.

Generally, an outline contains information on the different sections included in your thesis or dissertation, such as:

  • Your anticipated title
  • Your abstract
  • Your chapters (sometimes subdivided into further topics like literature review, research methods, avenues for future research, etc.)

In the final product, you can also provide a chapter outline for your readers. This is a short paragraph at the end of your introduction to inform readers about the organisational structure of your thesis or dissertation . This chapter outline is also known as a reading guide or summary outline.

While there are some inter-institutional differences, many outlines proceed in a fairly similar fashion.

  • Working Title
  • ‘Elevator pitch’ of your work (often written last).
  • Introduce your area of study, sharing details about your research question, problem statement , and hypotheses . Situate your research within an existing paradigm or conceptual or theoretical framework .
  • Subdivide as you see fit into main topics and sub-topics.
  • Describe your research methods (e.g., your scope, population , and data collection ).
  • Present your research findings and share about your data analysis methods.
  • Answer the research question in a concise way.
  • Interpret your findings, discuss potential limitations of your own research and speculate about future implications or related opportunities.

Chapter outline example British English

It can be easy to fall into a pattern of overusing the same words or sentence constructions, which can make your work monotonous and repetitive for your readers. Consider utilising some of the alternative constructions presented below.

Example 1: Passive construction

The passive voice is a common choice for outlines and overviews because the context makes it clear who is carrying out the action (e.g., you are conducting the research ). However, overuse of the passive voice can make your text vague and imprecise.

Example 2: IS-AV construction

You can also present your information using the ‘IS-AV’ (inanimate subject with an active verb) construction.

A chapter is an inanimate object, so it is not capable of taking an action itself (e.g., presenting or discussing). However, the meaning of the sentence is still easily understandable, so the IS-AV construction can be a good way to add variety to your text.

Example 3: The I construction

Another option is to use the ‘I’ construction, which is often recommended by style manuals (e.g., APA Style and Chicago style ). However, depending on your field of study, this construction is not always considered professional or academic. Ask your supervisor if you’re not sure.

Example 4: Mix-and-match

To truly make the most of these options, consider mixing and matching the passive voice , IS-AV construction , and ‘I’ construction .This can help the flow of your argument and improve the readability of your text.

As you draft the chapter outline, you may also find yourself frequently repeating the same words, such as ‘discuss’, ‘present’, ‘prove’, or ‘show’. Consider branching out to add richness and nuance to your writing. Here are some examples of synonyms you can use.

The contents should also include all appendices and the lists of tables and figures, if applicable, as well as your reference list .

Do not include the acknowledgements or abstract   in the table of contents.

Overall Organization

A typical thesis consists of three main parts – preliminaries, text, and supplementaries. Each part is to be organized as explained below and in the order indicated below:

1. Preliminaries:

  • Title page (required)
  • Copyright page (required)
  • Abstract (required) only one abstract allowed
  • Acknowledgments (optional) located in the Preliminary Section only
  • Preface (optional)
  • Autobiography (optional)
  • Dedication (optional)
  • Table of Contents (required)
  • List of Tables (optional)
  • List of Figures (optional)
  • List of Plates (optional)
  • List of Symbols (optional)
  • List of Keywords (optional)
  • Other Preliminaries (optional) such as Definition of Terms

3. Supplementaries:

  • References or bibliography (optional)
  • Appendices (optional)
  • Glossary (optional)
  • List of Abbreviations (optional)

The order of sections is important

Preliminaries

These are the general requirements for all preliminary pages.

  • Preliminary pages are numbered with lower case Roman numerals.
  • Page numbers are ½” from the bottom of the page and centered.
  • The copyright page is included in the manuscript immediately after the title page and is not assigned a page number nor counted.
  • The abstract page is numbered with the Roman numeral “ii”.
  • The remaining preliminary pages are arranged as listed under “Organizing and Formatting the Thesis/Dissertation” and numbered consecutively.
  • Headings for all preliminary pages must be centered in all capital letters 1” from the top of the page.
  • Do not bold the headings of the preliminary pages.

Preliminaries have no page number on the first two. Then it is numbered with roman numerals.

Refer to the sample page as you read through the format requirements for the title page.

  • Do not use bold.
  • Center all text except the advisor and committee information.

The heading “ Thesis ” or “ Dissertation ” is in all capital letters, centered one inch from the top of the page.

  • Your title must be in all capital letters, double spaced and centered.
  • Your title on the title page must match the title on your GS30 – Thesis/Dissertation Submission Form

  • The titles of all parts are worded exactly as they appear in the document.
  • Titles and headings and the page numbers on which they begin are separated by a row of dot leaders.
  • Major headings are aligned flush with the left margin.
  • Page numbers are aligned flush with the right margin.

The text of a thesis features an introduction and several chapters, sections and subsections. Text may also include parenthetical references, footnotes, or references to the bibliography or endnotes.

Any references to journal publications, authors, contributions, etc. on your chapter pages or major heading pages should be listed as a footnote .

Text and Supplementaries use Arabic numbering starting at 1

  • The entire document is 8.5” x 11” (letter) size.
  • Pages may be in landscape position for figures and tables that do not fit in “portrait” position.
  • Choose one type style (font) and font size and use it throughout the text of your thesis. Examples: Times New Roman and Arial.
  • Font sizes should be between 10 point and 12 point.
  • Font color must be black. 
  • Hyperlinked text must be in blue. If you hyperlink more than one line of text, such as the entire table of contents, leave the text black. 
  • Margins are one inch on all sides (top, bottom, left, and right).
  • Always continue the text to the bottom margin except at the end of a chapter.

1 inch Margins

  • Please see preliminary page requirements .
  • Body and references are numbered with Arabic numerals beginning with the first page of text (numbered 1).
  • Page numbers must be centered ½” from the bottom of the page.

Major Headings

  • A sample page pdf for major headings and subheadings is available here.
  • Use consistent style for major headings.
  • Three blank lines (single-spaced) need to be between the major heading and your text.
  • Each chapter is started on a new page.
  • The References or Bibliography heading is a major heading and the formatting needs to match chapter headings.

Subheadings

  • A sample page pdf for major headings and subheadings is available here .
  • Style for subheadings is optional but the style should be consistent throughout.
  • Subheadings within a chapter (or section) do not begin on a new page unless the preceding page is filled. Continue the text to the bottom of the page unless at the end of a chapter.
  • Subheadings at the bottom of a page require two lines of text following the heading and at least two lines of text on the next page.

Running Head

Do not insert a running head.

When dividing paragraphs, at least two lines of text should appear at the bottom of the page and at least two lines of text on the next page.

Hyphenation

The last word on a page may not be divided. No more than three lines in succession may end with hyphens. Divide words as indicated in a standard dictionary.

  • The text of the thesis is double-spaced.
  • Bibliography or list of reference entries and data within large tables may be single-spaced. Footnotes should be single spaced.
  • Footnotes and bibliography or list of reference entries are separated by double-spacing.
  • Quoted material of more than three lines is indented and single-spaced. Quoted material that is three lines or fewer may be single-spaced for emphasis.

Poems should be double-spaced with triple-spacing between stanzas. Stanzas may be centered if lines are short.

  • Consult a style manual approved by your department for samples of footnotes.
  • Footnotes are numbered consecutively throughout the entire thesis.
  • Footnotes appear at the bottom of the page on which the reference is made.
  • Footnotes are single-spaced.
  • Consult a style manual approved by your department for samples of endnotes.
  • Endnotes are numbered consecutively throughout the entire thesis.
  • Endnotes may be placed at the end of each chapter or following the last page of text.
  • The form for an endnote is the same as a footnote. Type the heading “endnote”.

Tables and Figures

  • Tables and figures should follow immediately after first mentioned in the text or on the next page.
  • If they are placed on the next page, continue the text to the bottom of the preceding page.
  • Do not wrap text around tables or figures. Text can go above and/or below.
  • If more clarity is provided by placing tables and figures at the end of chapters or at the end of the text, this format is also acceptable.
  • Tables and Figures are placed before references.
  • Any diagram, drawing, graph, chart, map, photograph, or other type of illustration is presented in the thesis as a figure.
  • All tables and figures must conform to margin requirements.
  • Images can be resized to fit within margins
  • Table captions go above tables.
  • Figure captions go below figures.
  • Captions must be single spaced.

Landscape Tables and Figures

  • Large tables or figures can be placed on the page landscape or broadside orientation.
  • Landscape tables and figures should face the right margin (unbound side).
  • The top margin must be the same as on a regular page.
  • Page numbers for landscape or broadside tables or figures are placed on the 11” side.

Supplementaries

These are the general requirements for all supplementary pages.

  • Supplementary pages are arranged as listed under “Organizing and Formatting the Thesis/Dissertation” and numbered consecutively.
  • Headings for all supplementary pages are major headings and the formatting style needs to match chapter headings.

Arabic numbers continue into the supplementaries.

References or Bibliography

  • The References or Bibliography heading is always a major heading and the formatting style needs to match chapter headings.
  • References or Bibliography are ordered after each chapter, or at the end of the text.
  • References or Bibliography must start on a new page from the chapter text.
  • References are aligned flush with the left margin.
  • The style for references should follow the format appropriate for the field of study.
  • The style used must be consistent throughout the thesis.
  • Appendices are optional and used for supplementary material.
  • The Appendices heading is a major heading and the formatting style needs to match chapter headings.
  • As an option the appendix may be introduced with a cover page bearing only the title centered vertically and horizontally on the page. The content of the appendix then begins on the second page with the standard one inch top margin.
  • Quality and format should be consistent with requirements for other parts of the thesis including margins.
  • Page numbers used in the appendix must continue from the main text.

A Foreign Language Thesis

Occasionally, theses are written in languages other than English. In such cases, an English translation of the title and abstract must be included in the document.

  • Submit one title page in the non-English language (no page number printed).
  • Submit one title page in English (no page number printed).
  • Submit one abstract in the non-English language (page number is ii).
  • Submit one abstract in English (page number is numbered consecutively from previous page – example: if the last page of the abstract in the foreign language is page ii the first page of the abstract in English is numbered page iii).

Multipart Thesis

In some departments, a student may do research on two or more generally related areas which would be difficult to combine into a single well-organized thesis. The solution is the multi-part thesis.

  • Each part is considered a separate unit, with its own chapters, bibliography or list of references, and appendix (optional); or it may have a combined bibliography or list of references and appendix.
  • A single abstract is required.
  • The pages of a multi-part thesis are numbered consecutively throughout the entire thesis, not through each part (therefore, the first page of Part II is not page 1).
  • The chapter numbering begins with Chapter 1 for each part, or the chapters may be numbered consecutively.
  • Pagination is consecutive throughout all parts, including numbered separation sheets between parts.
  • Each part may be preceded by a separation sheet listing the appropriate number and title.

SPRING 2024 CHANGES TO THE DISSERTATION CLEARANCE PROCESS

In order to streamline the dissertation clearance process, the following changes have been made, effective 3-1-2024 .

1. The Dissertation Cataloging Form is no longer necessary.

2. The Dissertation Clearance Form is now initiated directly by the student, and only through Adobe Sign - Signed PDFs and scanned forms have been replaced by Adobe Sign.

3. Students completing dissertation clearance are no longer required to schedule a meeting with their DCR (Dissertation Clearance Representative). If they have questions about what to do, they are welcome to schedule a DCR appointment, but it is not required.

The 7th edition of Publication Manual of the American Psychological Association was created by the American Psychological Assocation (APA), and contains the complete guidelines on how to format material for publication and cite your research .  It is a set of style rules that codifies the components of scientific writing in order to deliver concise and bias free information to the reader. 

This guide provides some of the basics to keep in mind, but it doesn't replace owning or borrowing the actual Publication Manual itself. It should be on your desk by your side throughout your writing process.

APA style, 7th edition requires specific heading formatting.

For Levels 1-3, the paragraph text begins on a new line. For Levels 4-5, the paragraph text begins on the same line and continues as a paragraph.

In Section 4.2 of the Publication Manual of the American Psychological Association (7th ed.), APA (2020) states that you should use verb tenses consistently throughout your work. In-Text Citation Basics

Author/Date Citation Method

APA publications use the author/date in text citation system to briefly identify sources to readers.  Each in-text citation is listed alphabetically in the reference list.  All in-text citations referenced in the body of work musr appear in the reference list and vice versa.

  • The author-date method includes the author's surname and the the publication year.  Do not include suffixes such as Jr., Esq., etc. Example : (Jones, 2009)
  • The author/date method is also used with direct quotes.  Another component is added in this format: (Jones, 2009, p.19)
  • When multiple pages are referenced, use pp. (Jones, 2009, pp.19-21)

Variations of author/date within a sentence Here are some examples of how the author/date citation method are formatted within different parts of a sentence. Please note the author, publication date, and study are entirely fictional.

  • Beginning of a sentence: Jones (2009) completed a study on the effects of dark chocolate on heart disease.
  • Middle of a sentence: In 2009, Jones's study on the effects of dark chocolate and heart disease revealed...
  • End of a sentence: The study revealed that participants who ate dark chocolate bars every day did not develop heart disease (Jones, 2009).

Citing works with more than one author

  • One author: Jones (2009) // (Jones, 2009)
  • Two authors: Ahmed and Jones (2010) // (Ahmed & Jones, 2010)
  • Three or more authors: Tsai et al. (2011) // (Tsai et al., 2011)
  • Group/organization author that can be abbreviated: 1st mention: National Institutes of Health (NIH, 2012) // subsequent mentions: NIH (2012)

Including a Title Page is required . Some of the most common thesis/dissertation mistakes are made on the title page. Follow the bullets below, paying close attention to capitalization, spacing, line breaks, actual date of graduation, and copyright statement. These bullets will guide you through the title page.

  • No page number is displayed on the title page.  It is always assumed page 'i'
  • Title is at top of page, formatted with Title style
  • Title is single spaced
  • Title does not contain a period
  • The first word in the title and the first word following a colon are capitalized
  • Proper nouns and acronyms in the title are capitalized
  • The word "by" is lowercase
  • BOLD  your name and the title
  • Student name should match name in AccessPlus
  • If student name does not match name in AccessPlus, include AccessPlus name in parenthes is under the name you are using
  • The word “Thesis” or “Dissertation” is used in the “fulfillment of requirements” statement
  • The phrase “MASTER OF...” or “DOCTOR OF...” is used
  • Only the Major(s) and (if applicable) the specialization(s) are listed (minors are  not listed)
  • Do not include Dr., Esq., Ph.D., AIA, or other titles or affiliations before or after your name or faculty names
  • “Major Professor” is listed after the respective faculty’s name
  • For Co-major Professors, list both as “Co-major Professor”; do not use “Major Professor”
  • Committee member names are single spaced
  • Either the word “Thesis” or “Dissertation” is used in the “responsibility of content” statement
  • Iowa State University is listed
  • Ames, Iowa is listed
  • Graduation year is listed

  Table of Contents

Including a Table of Contents is required . The Table of Contents shows the reader the organization of the document as well as displays the correct page numbers. The bulleted items explain various heading styles for you to follow. They also demonstrate various preliminary pages' formats.

  • DEDICATION, if used, precedes the table of contents. Its heading is formatted with  Heading 0 (NOT IN TOC) style, and the page number is 'ii'
  • Page is numbered using lower case Roman numerals, top center
  • The heading TABLE OF CONTENTS, is formatted with  Heading 0 (NOT IN TOC) style
  • Do not list 'DEDICATION' or 'TABLE OF CONTENTS' in the Table of Contents

Including a List of Tables and/or a List of Figures is optional . If you have one list, you must have the other list. Each list starts on a new page regardless of how many entries are on the page.

  • The headings LIST OF FIGURES or LIST OF TABLES are formatted in Heading 0 (Included in TOC)  style
  • If you have one of these lists, then you have the other as well
  • Page number columns are right justified
  • "Page" is written above the page numbers column (only on the first page of the list) and is right justified

An abstract is required . The abstract is a concise summary of the dissertation or thesis’s purpose, highlights the main points, states the method used, provides findings, and states conclusions. Oftentimes, readers only read the abstract to determine if they should read the document.

  • Indent paragraphs like other paragraphs in your dissertation/thesis

There are two format styles—traditional and journal. The traditional format is basically one document; whereas, journal is a compilation of several manuscripts for journal publication. See the Journal Article Format  section for instructions for papers including journal publications.

  • Begin first page of Chapter 1 with ‘1’. Numbers are the same font as the document’s text
  • All chapter titles are written in Heading 1   style, which is centered, bold, and uppercase
  • All non-chapter, high-level section (Preliminary Pages, Reference/Bibliography, and Appendix) titles are formatted in Heading 0 (Included in TOC) , which is centered, bold, and uppercase
  • Indent all paragraphs
  • No blank pages
  • Recommended: no excessive white space in text. Pages should be ¾ filled, unless it’s the last page of the chapter
  • Recommended: Chapter section headings are bold and centered with title case. Use Heading 2  style
  • Recommended: Chapter subsection headings are bold, left flush, sentence case. Use Heading 3  style
  • Format headings consistently throughout the manuscript
  • Differentiation exists between heading levels
  • At least two lines of text should be included on a page before a paragraph is continued to the next page
  • Headings or subheadings must include at least two lines of text at the bottom of a page
  • Include the first page of the Institutional Review Board (IRB) approval in the appendix. Refer to it in the text

 Journal Article Format

This manuscript format refers to the use of articles and/or book chapters to replace the standard thesis/dissertation chapters. Publication of the manuscript(s) is not a requirement of this format. The graduate student is the major contributor and writer of the manuscript(s). In the case of multiple authorship, the contribution of each author is detailed in the Introduction or footnotes.

  • Begin CHAPTER 1. GENERAL INTRODUCTION with page ‘1’. Numbers are the same font as the document’s text
  • Chapter 1 must be titled “GENERAL INTRODUCTION” and the final chapter must be titled “GENERAL CONCLUSION”
  • All chapter titles are written in Heading 1  style, which is centered, bold, and uppercase
  • Author affiliations
  • References or Bibliography
  • Figures and Tables 
  • Continue the text of the paper on the same page as the title and abstract. Chapter titles should not stand alone on a page
  • The References section should appear continuously after the manuscript text; it does not start on a new page
  • Format headings consistently throughout each chapter
  • At least two lines of text should be included on a page. This includes paragraphs that carry over to the next page
  • Appendices must be included within the respective chapters, NOT as sections at the end of the thesis/dissertation. See the Appendix section  for more details on specific formatting requirements

Author Affiliation

 Bibliography or References

Including a bibliography or reference section is required . Every thesis/dissertation that uses other sources, either by direct quotation or reference, must have a bibliography or listing of these sources at the end before the Appendices. The organization of references or bibliography according to specific disciplines can be accepted if approved by the committee.

  • For Journal Article format, use Heading 2 at the end of each chapter before any appendix(ces). The references continue after the body of the text (not start on a new page)
  • For Traditional format, use Heading 0 (Included in TOC) after the final chapter, before any appendix(ces). Start on a new page

Use one or more appendices for materials that do not pertain directly, but are relevant, to the main text. Examples of appendix material include survey instruments, Institutional Review Board approval, permission forms, additional data, or raw data.   • Table, figure, and schema margins should be the same as the manuscript’s pages
  • Position table and figure captions relative to the table/figure consistently throughout the manuscript (Traditional) or chapter (Journal Article).
  • Position schema captions at the top or bottom consistently
  • There must be 2 lines of the caption on the same page as the figure or table
  • Table/figure/schema too large to fit on one page: use “Table X continued' at the top of the table on each subsequent page. “Figure X continued” above or below the figure on each subsequent page
  • Turn landscape tables, figures, and schema so the top of the table/figure is located to the left
  • Page numbers on landscape pages should not turn with the table/figure. Locate on the 8.5' end of the page in the same position and orientation as the other page numbers

Setting up Heading 1 Example

The Heading 1 style has already been set up this way in our template, so this information is presented as an example of some of the ways you can modify a Style...as well as for those wishing to use styles in a document apart from our template.

Rackham has very specific requirements for most elements in your document. You'll find Rackham's Dissertation Handbook and a number of other resources on their Navigating Your Degree page .

For example, your chapter titles and front matter titles (e. g., Dedication, Acknowledgements, etc.) need to be formatted in a particular way. Below is an example of how you can set that up using the Heading 1 style – please confirm your Heading 1 style with the Rackham guidelines to be sure nothing has changed and that we didn’t miss anything!

  • Set the font to Times New Roman (or whatever professional-looking font you choose)
  • Set the font size to 12 point
  • Set the text color to black
  • Center the text
  • Select 1.5 spacing for the paragraph spacing
  • Click on the Format button in the bottom-left corner of the dialog box and choose Paragraph (see below).
  • Select the "Indents and Spacing" tab

  • Since the chapters and front matter have to start on a new page, you can build a page break into the style by going to the "Line and Page Breaks" tab and checking the box for Page Break Before .

Click OK until you are back to your document.

The power of subheadings: Your content's roadmap

You're not alone in dealing with organizational struggles while creating content. Even someone with ... [+] 20+ years of experience—like me—can struggle!

The secret to clearing confusion and creating clarity lies in the subheadings, or the HTML header tags—from H1 to H6—that structure page content.

HTML header tags are important for search engine optimization, as they help search engines understand and rank your content. Readers can’t see header tags, but they can see the headings and subheadings attached to each tag. Those heads, in turn, make your content skimmable so readers can quickly get the gist of a piece and easily find what they’re looking for.

Header tags also help you, the content creator, by giving you a map of your content—before you start and as you write and edit. If you follow the map, your ideas should flow seamlessly from one to the next. If you don’t follow the map, header tags can help you see where you got lost.

If you’re unfamiliar with HTML header tags, they range from H1 for the title of a piece to H6 for a far-down-the-line concept. Here's how the heading scheme works, with an example of headings from one of my most popular articles: 20 Types of Content to Help You Attract Prospects and Win Customers .

HTML heading tags serve the search engines, you, and your readers.

Search engines read these heading tags behind the scenes to understand the hierarchy and organization of your content, improving your chances of ranking higher in search results.

If you’re not watching out—and even if you are—you can still get stuck in a content muddle. That’s when headings come to the rescue.

A real-life example: Getting unstuck in a tangled article

To illustrate, let’s look at a recent article I wrote about the power of ebooks for marketing in 2024 . While working through the draft, I noticed repetition and something else amiss with the flow. I still couldn’t tell what was off despite reading it multiple times.

I could have given up. Shut the document. Taken time away from the piece. And I sometimes do that.

This time, though, I had a sudden ah-ha —a memory from my days as a development editor for a technical publishing house. I remembered a simple yet powerful technique that involved pulling out and separately analyzing the heading tags by way of the table of contents (TOC).

To illustrate, let me show you a piece of the TOC for my ebook article before I figured out the organizational problem.

Initially, when I pulled out the table of contents, it looked like this; I highlighted the problem for you:

Analyzing the H2 and H3 headings to figure out what's wrong with a piece of content. Can you spot ... [+] the issue?

First, can you see how much easier it is to analyze the structure of an article when you’re not also looking at all of the muddled content in between? That visibility is what makes this technique so powerful.

Second, in the example, notice how the first H3, Ebooks for TOFU , covered types of TOFU content —the very same information as the following H2, Choosing the right content types .

Ah ha! This redundancy made the article feel disjointed.

Applying the flow-fixer technique showed me a simple solution, too: Merge the two H2 sections. The revised TOC put me right back on track.

Collapsing the two H2 sections into a single section covering both topics and examples worked.

Each H3 covered topics and examples in the revised structure, creating a more cohesive and informative flow.

Problem solved! Article published.

The flow-fixer method: A step-by-step guide

Document flow is crucial. If yours isn't flowing well, try the flow-fixer technique.

Here's how to apply the flow-fixer method to transform your tangled content into a clear, compelling piece that flows.

  • Outline your content: Before writing, start with a solid outline containing your H2 and H3 headings to get a bird's-eye view of the content’s structure.
  • Draft your content: Don't worry about perfection at this stage. Get all your ideas down on paper (or screen), following your outline as a general guide. Remember, even the best writing might start with a messy first draft.
  • Extract your TOC: When you have a first draft, pull out the TOC by listing all your H2 and H3 headings.
  • Analyze the structure: Scrutinize the TOC. Do you see any redundancies? Overlaps? Sections that feel disjointed? Seeing the big picture is when the magic happens.
  • Merge and reorganize: Combine or reorganize sections to create a more cohesive flow. Each H2 should represent a distinct main idea, and each H3 should support and expand on that idea.
  • Revise your content: Update your content to reflect the new, improved structure. You'll be amazed at how much clearer your writing becomes.

Re-engineer your TOC for ultimate clarity

The table of contents is your guide to clear content that flows well.

The flow-fixer technique of pulling out and examining the TOC has saved me countless times when struggling with my own articles. It’s also my first action when editing a piece of content that’s new to me, for example, an article a client gave me to edit or an ebook that needs rewriting. Looking at the TOC helps me quickly learn what the content is supposed to be about and if there are any blatant organizational issues.

The flow-fixer method is also for more than fixing existing content. You can use it proactively during the outlining and drafting stages to ensure your writing flows smoothly from the start. Remember, a well-organized TOC is the foundation of clear, compelling content.

Try the flow-fixer technique for yourself. I guarantee you'll see your own work with fresh eyes and unlock a new level of expertise when tackling any piece of content you handle from then, on. A clear TOC is one mark of a master communicator—and now that mastery is yours.
