Use modern fonts when writing your cover letter and resume. While Times New Roman once was the standard font in business communication, Brown told The Balance that it’s outdated today. Instead, choose a rounder, more modern font, such as Verdana.

Choosing a modern font may help you avoid ageism, particularly if you are over 40. A font such as Verdana gives the impression that you’re a contemporary worker, while an outdated font such as Times New Roman could make you appear out of touch.

Using an outdated email address could also indicate you are not familiar with current workforce trends. For example, AOL and Hotmail email addresses aren’t as popular as they once were.

“Young people have Gmail addresses, period,” Brown said. If you don’t have a Gmail address, you can easily make one in just a few minutes before emailing about the job posting.

Grammar and Punctuation

Do not use the word “I” at the beginning of every sentence or paragraph. For example, if you’re applying for a customer service job, try not to write, “I assisted customers with billing errors. I helped new customers open accounts.” Instead, you could say, “As a customer service agent, I helped new customers open accounts and assisted existing customers with billing errors.”

Before writing an email response or submitting a cover letter and resume, correct all grammar, punctuation, and spelling errors. If you write your cover letter and resume in Google Docs or Microsoft Word, use the spelling and grammar tool to check for errors. Microsoft Word also has a “Read Aloud” tool that enables you to hear the flow of your text and helps you catch misspellings or missing words. Grammarly is also a great tool, and it offers a free plan.

Portfolio Materials

Some job application systems have fields in which you can include a link to your portfolio, while others have fields to upload examples of your work, and some offer both. While an online portfolio might provide a broader view of your talents and accomplishments, some employers like to print work samples. Whenever possible, attach portfolio items that the reviewer can print, even if you include links to online work.

Consider attaching PDF documents to emails to make them easy for the hiring manager to open and print.

Let’s say you’re an assistant manager of a doughnut shop and want to apply for a job as a manager of a neighborhood bakery. The job calls for supervising 12 employees, generating sales reports, buying advertising, making bank deposits, and ensuring the bakery complies with health codes. In your email response, you could write a cover letter that mentions you are applying for the manager position. You’ll also want to express why you think you’d be a good fit for the job and what you like about the company.

Next, create a short bullet-point list of your experiences and qualifications as they relate to why you’d be a good fit for the job, such as:

  • Strong management experience, supervising up to 10 employees per shift
  • Detail-oriented when inspecting kitchen and customer area every hour to ensure compliance of health department regulations
  • Manage time well, creating weekly work schedules for all hourly employees
  • Organized inventory of all cooking ingredients and supplies such as bags, boxes, cups, and cleaning products
  • Generate cash register reports after each shift and make bank deposits at the end of the day

In the last paragraph of your cover letter, you’d mention that you look forward to speaking with the hiring manager soon and include your contact information as well as availability to meet for an interview.

Before emailing your cover letter and resume, you must review the job description carefully to make sure you have tailored both documents to the position. You might also want to add a personal touch. For instance, you might add that the bakery makes the best muffins in town and you can always smell them as you walk down the block.

After putting the finishing touches on your cover letter and resume, submit them as directed in the job posting. Attach your resume and paste the text of your cover letter in the body of the email.

After sending the email application, you can look for the hiring manager’s email address on the bakery’s website or find their Linkedin profile, and send a personal message stating that you have applied for the position and feel confident that you are a good candidate for the job.

Applicant Tracking Systems are software that filters through the vast number of resumes and cover letters for keywords mentioned in the job posting .

They will shortlist candidates whose documents contain the most mentioned keywords, so include them in your cover letter and resume to increase your chances of receiving a positive response.

Effectively responding to a job advertisement involves overcoming this initial obstacle because unfortunately, many times our resumes and cover letters are rejected even before they have a chance to be seen by human eyes.

In your cover letter, use keywords related to the company (such as the company slogan), the offered position (like required qualifications and experience), and the career you are interested in (such as the names of positions you’ve held).

This way, you’ll demonstrate that you have exactly what the company is looking for.

Why not use Europass CV

When you need to write a curriculum vitae in response to a job advertisement , avoid the Europass format .

It is too common, with graphic disadvantages and disorganization. Many recruiters have openly stated that they do not appreciate the Europass format. In this format, there are also sections of not great usefulness.

For example, the Social Skills section is redundant, as such skills will be evaluated during the interview, and the space used to write such information could be used for other more relevant qualifications.

Use the Europass format only if explicitly requested in the job advertisement.

How long should a CV be?

The perfect curriculum vitae should not exceed two pages , but preferably just one if you don’t have much experience.

If you choose 2 pages, keep in mind that the most important page is the first one. In any case, the ability to synthesize is highly appreciated by recruiters, so demonstrate it when writing your resume.

Choose the right file format, docx or pdf

Always follow the instructions in the job advertisement and send the CV in the requested file type . But what if it’s not specified?

Some Applicant Tracking Systems may have issues with PDF, so in any case, it’s better to use the docx format (not doc, as the latter is for older versions of Word and is more corruptible and heavier). When in doubt, send both file types.

Rename the file with your name

To simplify the recruiter’s work, given the enormous amount of CVs they receive, name your file with your first and last name and indicate it as CV or Curriculum.

This way, the file won’t get lost in the sea of received documents and will be easily retrievable .

Don’t inflate your qualifications

In your CV or cover letter, absolutely do not think about adding skills you don’t have; you will only be exposed during the interview and labeled as an unprofessional and deceptive person.

Cover letter: how to write it

Advantages of customization

When you write a letter to respond to a job advertisement , always be careful not to use “To whom it may concern” because it’s too generalized and shows that you haven’t taken the time to find out who you are addressing.

Instead, demonstrate that you have researched the company. Find out the last name of the HR manager through LinkedIn or other websites and address your cover letter to him/her.

If you can’t find their details, you can call the company and express your intention to respond to the job ad, asking for the email and the name of the selector.

Brief but covering the points mentioned in the advertisement

The cover letter should be between half a page and a full page long and should be divided into 3-4 paragraphs.

However, it must clearly mention the points requested in the advertisement, such as knowledge of a certain foreign language, a specific computer program, or any other specific skills mentioned as important or essential.

Express your added value to the company

In the letter, make it clear what you can practically do for the company and propose ideas. Explain how your work can benefit the company , in terms of production or human resources.

Do not add references

Since space on the CV is very valuable, it should be used wisely. Do not include any references.

Also, do not add the famous phrase “References available upon request,” as this also takes up space that could be dedicated to something more useful. If the selector wants references, they will ask you.

Responding to a job offer on LinkedIn with easy apply

On LinkedIn, you can respond to a job advertisement by simply clicking the Easy Apply button instead of emailing, thus applying very quickly.

This applies only to some positions. In this scenario, keep these key factors in mind:

  • The first thing to do is ensure your LinkedIn profile is as complete and high-quality as possible.
  • Since you can optionally upload only one file during this process, it’s better to combine your cover letter and CV into the same file.
  • You will be asked for your phone number. You won’t be required to provide any additional personal details, but you might be asked some questions about your professional experience.
  • The selector will look at your LinkedIn profile and will primarily rely on that to choose you or not.
  • Since you can see how many people have already responded to the job offer, it’s a good idea to respond as soon as possible to increase the chance of being noticed. The keyword advice given above applies here too.

Long gone are the days when you'd hand address cover letters and resumes to send to potential employers. Responding to a job posting these days often means sending an email. But with dozens or even hundreds of people responding to a job advertisement, how do you make your email get noticed?

Before sending an email responding to a job posting, be sure the job ad specifies that's how you should submit your response. Some employers still prefer you to mail in a resume, and some may want you to stop by to fill out an application.

Once you're sure about responding to a job posting via email, verify you have the correct email address and start drafting your response.

Engaging Subject Line

You may be one of many people responding to a job advertisement via email. In order to help yours stand out, include an engaging subject line. Rather than a one-word line, such as “Introduction” or “Job Application,” write something that will entice your potential employer to open the email. This can be something unique to you or something that highlights your experience. Examples:

As with any letter, you want to make sure you address your email to the correct person. Check the job ad to see who the email should be sent to. The job ad often includes the person’s entire name and position along with their email address. That's the name you should use in your email. If there's no name included, check the company’s website for the appropriate person so you don’t have to write “To Whom It May Concern.” If you cannot find a name, include the name of the appropriate department. Examples:

The body of your email can either be a brief introduction or act as a cover letter. You can decide which option makes sense given the nature of the position and your preference. Most employers want a cover letter, so including it in the body of an email means not having to send another attachment. Whichever method you choose, be sure to keep the tone professional and your writing brief and to the point. You want to include a few things that will encourage the employer to keep reading your email and call you in for an interview. It's also a good idea to include specific successes you had in previous positions. Examples:

Dear Mr. Johnson,

This email is in response to your job posting on LinkedIn for an experienced animal caretaker at CatDog Vet Services. I have several years of experience in taking care of a variety of animals and believe I’d be a great fit for the position. Please see my attached cover letter and resume, and let me know if I can provide anything further.

I'm writing in response to your posting on LinkedIn for an experienced animal caretaker at CatDog Vet Services. My background and experience are a great match for the position, and I'm very interested in joining your team.

I spent the past five years supervising a team of caretakers at a veterinary hospital in New City. When sending an email responding to a job posting, don’t forget to attach your most updated resume. Be sure it’s tailored to and appropriate for the job to which you’re applying. Also attach any other documentation that the employer requested, such as references, writing samples or college transcripts. Attaching the documents as PDFs ensures that they'll open on any computer without a formatting issue.

Provide Your Contact Information

Always include your contact information at the end of your email so the employer has a way to reach you outside of email. Even if this information is included in your resume, you still want to include it in the email for easy reference. Example:

Sign your email as you would any letter. Before pushing send, be sure to do a check for spelling and grammar. You want to make the best first impression possible.

Responding to a Job Ad

Before you draft your cover letter, you’ll want to analyze the job ad to identify which skills and experiences the employer values most.

Begin by selecting a job ad or description that interests you. Next, follow the steps outlined in this exercise to identify required skills and qualifications, and to explain how your past experiences demonstrate you’re a strong candidate.

Identify skills and qualifications from the job ad

Read through the job ad and identify words or phrases that express the most important skills and qualifications. Examples may include “strong communication skills” or “ability to juggle multiple priorities,” or attitudes and traits such as “pays attention to detail” or “optimistic and goal-oriented.” Other language may be a bit harder to interpret, like “exercise professional skepticism” or “ability to work with diverse stakeholders.”

Say it in your own words

Here’s where you make sense of the language you selected in step one. Ask yourself: How can I interpret this skill or qualification? What does it tell me about the company’s priorities? What is the firm looking for? Remember that meaning will change based on the job context. For instance, “ability to take initiative” will translate into one thing for a front desk position at a doctor’s office, and something quite different for a research assistant position in a lab.

Find a specific example of how you demonstrated this skill or qualification

Here’s where you prove that you have the required competencies. Select professional, academic, and/or extracurricular experiences you’ve had that showcase your abilities. Don’t just list you responsibilities or accomplishments, but instead provide specific examples of tasks, projects, issues, or situations you’ve handled. To show that you have the ability to take initiative, for example, you could describe a time you independently solved a problem in prior job without first being instructed to do so by your supervisor.

Tie your experience back to the specific position

Now, tie your ideas back to the company or organization. Ask yourself: Given my experience, why am I a good match for this company? Explain how your experience will be valuable to the organization, and what you can contribute to the new role.

Repeat this process for each core skill

Generate a list of your most persuasive examples by repeating this process for each skill. For each skill/qualification you identified in step one, ask yourself:

  • How can I connect my own skills, training, and experience to this phrase in the job ad?
  • What are synonyms for this skill?
  • How have I demonstrated this skill (or my capacity to learn it) in the past?
  • How did my past use of this skill prepare me for this specific role?
