Ever been to a really bad presentation? You know, the kind where the speaker stands behind the podium, uses slides that mirror what he is saying directly, and includes lots of data tables to validate his position.

But. "What's so bad about that?" you ask. "Isn't that how most presentations are given?" Yes. That is how most presentations are delivered, but that doesn't mean that's the most effective way to deliver them. This kind of presentation risks boring your audience to the point where they start wishing for a fire alarm to go off so they can escape. And once you lose someone, it is next to impossible to bring her attention back.

If the information you are presenting is important enough for you to deliver orally, then it demands an appropriate amount of planning and preparation so that the information you present is memorable – for the right reasons. Give a bad presentation and you'll be remembered all right: it just won't be the type of impression you want to leave in anyone's mind.

When someone presents well, it sends the message that the person is capable, confident, intelligent, and competent. These people get noticed and that type of attention bodes well for your career. Even if you don't make formal presentations in your current position, think about the future and keep in mind that you do have to present your ideas and opinions on a daily basis. The same basic principles of effective delivery apply.

1. Connect With and Understand Your Audience

To deliver a great presentation you have to consider the following audience characteristics:

  • Profile – Who are they? What is the common element that brings them together?
  • Needs – Why are they attending the presentation? What do they need to know after you've finished?
  • Wants – What do they want from the presentation? Do they want to increase knowledge, learn something or be entertained? How can you connect their interests with your message?
  • Expectations – What do they expect in terms of content and length?
  • Current Knowledge – How much explanation do you need to provide? What assumptions can you make?

When you know your audience, you can prepare content that appeals to them specifically. If you pass over this first crucial step you risk delivering a presentation that is content rich and relevance poor.

2. Prepare Your Content

Now that you know who you are presenting to and why they are there, you can determine what to present. Here are some tips for content preparation:

  • Don't try to cover everything. As Voltaire said, "The secret of being a bore is to tell all." Great presentations stimulate thoughts, questions, and discussion. Develop your content so that it covers the main points but leaves room for the audience to apply the information to their own circumstances.
  • Start off well with a great hook – you only have a few minutes right at the start to fully engage the audience. Don't use this time to present background information. Get your audience charged up and eager to listen. Make the relevance immediately obvious.
  • Also, start by telling your audience where you are heading. Don't make them wait for your conclusion, tell them up front what your premise or purpose is. This helps your audience stay focused. They may or may not agree with you at the start, but they will be able to quickly spot all of your supporting arguments.
  • Your presentation should have five to seven take-away points. This follows the chunking principle , which you can learn more about here .
  • Tell a story, make comparisons, and use lots of examples. Be sure to mix up the type of content to stimulate audience interest.
  • Present your ideas logically using supporting evidence as necessary.
  • Provide only as much background information as needed.
  • Outline actions or next steps that are required.
  • Develop a strong close, including a summary. Bring your conclusions back around to audience need and the hook you created. Consider ending with a question designed to stimulate further discussion.

3. Deliver Confidently

There are two main aspects of your delivery: your visual aids and your style. We'll look at them separately.

Unless your presentation is very short, you will need some sort of visual aid to keep the attention of your audience. There is a fine line, though, between drawing attention to your points, and distracting the audience from what you are saying. Here are some key factors to consider when designing slides:

  • Keep slides simple and easy to understand.
  • When explaining, start with the overall concept and then move to the details.
  • The information on the slide should add value to your presentation or summarize it – it is not meant to be your presentation.
  • Ensure that any charts, graphs or tables you include are very simple and easy to read. Use them sparingly.
  • Use images (clip art and photos) sparingly and make sure the image means something and isn't just there to fill up space.
  • Use pleasant color schemes, high contrast, simple fonts, and bold and italic to add meaning to words.
  • Don't use fly-ins, fade-ins or outs or other animations unless absolutely necessary to really emphasize a point. How many times have you been put into a hypnotic state watching words or lines fly into a presentation?

Delivery Style

The way you deliver the content is often what makes or breaks a presentation. Here are some pointers to remember:

  • Use gestures for meaning, not for comfort. Try not to talk with your hands or move about carelessly. Everything you do should have purpose i.e. gesture to the visual aid to draw the audience's attention.
  • Pause for effect after main points or after you present a visual aid.
  • Step out from behind the podium and connect with your audience – make sure you have a remote control device to change slides or cue other types of visuals.
  • Talk loudly enough for people at the back to hear, or use a microphone.
  • Make eye contact and hold it for three to five seconds. Any less and it looks like you are merely scanning the crowd.
  • Be passionate – show your audience that you care about what you are saying.
  • Consider putting up a blank or low-content screen between slides – this puts the attention where it should be: on you!
  • Change your pace and style from time to time.
  • Be natural – don't try to be a comedian if you're not.
  • Finish early rather than late.

When you present with confidence and authority, your audience will pay attention and react to you as someone who is worth listening to. Fake it if you need to, by turning your nervousness into creative and enthusiastic energy.

4. Control the Environment

You won't ever eliminate all sources of problems, but through diligent planning and preparation, you can mitigate your risks.

  • Practice, practice, practice: The ultimate goal is to deliver your presentation note-free. Short of that, you want to be sure you are comfortable with the material and that nothing comes as a surprise. Consider practicing in front of a video camera and reviewing your delivery. Don't take short-cuts here because it shows! The point is for the presentation to look effortless – when you struggle, the audience focuses on you, and not on what you are saying.
  • Keep the lights on: when you darken the room, the screen stands out, not you. And it also encourages sleep, which you want to avoid at all costs!
  • Always have back-ups and a backup plan. What if you forget your material? What will you do if the CD won't load? What if the equipment doesn't arrive on time? Plan for as many contingencies as possible.
  • Dress appropriately for the situation – find out in advance what the dress code will be.
  • Have a policy for answering questions – let your audience know when they can ask questions so you aren't inappropriately interrupted.
  • Finish on time, every time. Last impressions are just as important as first ones.

Presenting is not a natural activity and to do it well requires careful thought and lots of practice.

You can choose to be average, or even below average, by simply emulating what most other presenters do. Or, you can take your presentations to the next level and leave your audiences with a powerful message that they remember, while keeping them interested and connected from start to finish.

To do this you need to pay strict attention to your audience analysis, content preparation, delivery style, and the external environment. When you control these for optimum audience relevance, interest, and engagement you are ready to deliver a great presentation.

The final element you must add is lots and lots of practice. Make your next presentation great by planning and preparing well in advance and making it look like it does come naturally to you.

It’s 2am.

You’ve got a huge presentation tomorrow, but you’re afraid to go to bed for fear of having an on-the-stage-in-my-skivvies level nightmare about the big day. We’ve all been there. Learning how to make a presentation (without breaking out into a cold sweat) takes practice.

In our experience, a serious case of the jitters is best fixed by a serious injection of expert wisdom.

We’ve gathered the best advice from experts like Tony Robbins, Steve Jobs, and Guy Kawasaki on how to make a good presentation great, along with insider knowledge on both designing and delivering a presentation.

How to make a good presentation.

Making a good presentation starts with crafting the content. No matter how compelling your message is, if you don’t get it out of your brain and on to the screen in a simple way, you’ll be met with a sea of blank faces. So, where to begin?

1. Create an easy-to-follow structure

When it comes to what you have to say, break it down into three simple sections: your presentation needs an introduction, body, and conclusion.

A compelling introduction . Your introduction needs to briefly sum up what you’re going to talk about and why it’s useful or relevant to your audience.

Offer a body of evidence . The body of your presentation is where you hit ’em with the facts, quotes, and evidence to back up your main points.

Sum up with key takeaways . The conclusion is where you loop back to your original statement and give the audience some key takeaways on how they can put into practice what they’ve learned.

  • No more than 10 slides in total . Who wants to sit through pages and pages of slides? No one, that’s who. By keeping your slide deck to 10 slides, even if your presentation is 30 minutes long, you’ll give the audience a chance to digest the on-screen messages in line with your talk. Using  concept maps  before structuring your slides can help keep to the point.

2. Limit the amount of copy on each slide

Less really is more, especially when it comes to making a good presentation. Too much text and the audience will just be reading the screen instead of looking at you and feeling the emotional impact of your message.

No more than six words per slide . Marketing king Seth Godin says we should have just six words per slide – that’s not a lot of copy. Choose your words carefully and rewrite until you’ve got it just right.

  • Think ‘bite-size’ information . We called ourselves Biteable a reason: studies show information is retained better when it’s broken down into bite-sized chunks. Video is a great way to do this, and research suggests it’s  95% more compelling than text.  Consider adding video to your presentation strategy. But regardless, break your information up into smaller, palatable pieces.

3. Be savvy with design details

A well-thought-out design can make all the difference between a good presentation and one that falls flat. Consider these design standards as you make your presentation.

Use color sparingly . Bright colors can dazzle, but too many can be off-putting. Use the colors most relevant to your message. We’d recommend sticking with one or two (not counting black and white) for your palette so it has a consistent look and feel.

Be consistent with your font . Consistent design makes you look more professional. Don’t switch between caps and lower case, Times New Roman and Comic Sans, or 8 and 30 point text size. Stick with one font and one size throughout. You can vary the emphasis with your words later, but keep your on-screen text uniform for a more cohesive message.

  • Format for perfection . A wonky line on a slide or a badly pixelated graphic will put some people off, as it will look like you haven’t tried very hard (or worse, that you just aren’t very good). Make sure your text is aligned and neat like in the example below.

4. Polish several times

Just like a pair of well-worn shoes, a good presentation often needs a few rounds of dusting before it’s shiny and sparkly.

Start Messy . Don’t be afraid to start messy. Arrange your ideas side-by-side and discover new connections that you didn’t see before.

Edit ruthlessly . At first you might have a huge amount of information and will wonder how you’re ever going get it down to six words per slide. That’s OK. Keep editing ruthlessly until you’ve pared your message down to the bare essentials.

  • Get someone else to look at it . A fresh pair of eyes can work miracles when it comes to refining your presentation. Get a trusted mentor or colleague to review your work. How to give a good presentation

How you deliver your slides is as important as their content and design. Here are some quick pointers to help you get your message across with impact.

5. Have a strong opening

How you start and finish your presentation is extremely important. Audiences usually make up their minds about someone in the first seven seconds, so make those first moments count.

Be different . You’re doing a presentation about saving tree frogs in Costa Rica. You open with an amusing story about one that escaped on a  bunch of bananas  to the UK. A story like this is different and unexpected for your audience, so they’ll sit up and take notice.

Ask a question . Rhetorical questions are a great way to frame a topic and introduce ideas. Martin Luther King Jr. said: “There are those who are asking the devotees of civil rights, ‘When will you be satisfied?’”

  • Tailor it to your audience . How much do you know about your audience? The more you know, the better. Especially if you know their likes and dislikes. Inserting a relevant metaphor or popular culture reference. Oprah Winfrey’s Stanford commencement address spoke to the graduates about her lessons learned and how they were entering ‘the classroom of life.’

6. Be genuine

Oscar Wilde said “Be yourself; everyone else is already taken.” A lack of authenticity will be spotted a mile away. Whatever you’re saying, speak from the heart and don’t try to impress – there’s no need to prove yourself, just to get the point across as you see it. After all, that’s why you’re there, and you can’t do more than that.

Use humor . Humor can be great for giving a presentation, but cut it out if it feels like a stretch. Telling a humorous story can break down any barriers, make you more likeable, and make your message more memorable (and people are surprisingly generous with laughter) but the faintest whiff of desperation will kill a funny vibe.

Don’t be afraid to mess up . The fear of making a mistake can make you inordinately nervous. Relax, even the best speakers mess up or have bad luck. Theresa May, ex-Prime Minister of England, once stumbled and  coughed her way through a presentation , with someone even handing her a resignation letter. She battled through like a pro, though, and simply acknowledged it and moved on. No big deal.

  • Open up and be vulnerable . Brené Brown,  a researcher whose presentations  have amassed over ten million views, says that “Sometimes the bravest and most important thing you can do is just show up.” This means speaking your truth and daring to feel a little uncomfortable as you share a meaningful story. It will connect your audience to you like never before.

7. Have a plan for a smooth delivery

With all the prep you’re doing on the content and design of your presentation, it can be easy to overlook other variables that are within your control for a stress-free delivery.

Have a practice run-through . There’s nothing like reading it out loud to ensure your message makes sense before you actually deliver it. Try recording your presentation on video — this way you’ll be able to review with an accurate eye and notice whether your speech matches up with your slides. It’ll also help you sort out your run time.

Use a remote . A clicker or remote will help you face the audience and not have to keep turning back to your laptop. Sought-after public speaker Garr Reynolds says a remote is essential in order to pause and advance your presentation so you have time to be spontaneous and control the flow of your delivery.

Have backup material . Not everything you say is going to resonate with your audience. It’s best to be flexible enough to change the game as and when needed. Steve Jobs had standby anecdotes prepared to fill time when the technology he was using to give the presentation failed. Preparing for every eventuality will help soothe your nerves and allow you to feel more in control.

  • Use a timer . When you get into the flow of your message, it’s easy to go off on a tangent or even spend too long on audience questions. Put your phone on airplane mode and set the stopwatch just as you begin speaking. A quick glance down at the table during a pause will allow you to make sure you’re not going overtime.

8. To conclude, focus on audience value

You’re coming to the end of your presentation. How do you wrap it up in a way that will be everlasting in their memories? The experts recommend you focus on the feeling you want the audience to take home.

Leave your audience with an emotional impression .”They might forget what you said, but they’ll never forget the way they made you feel” said the poet Maya Angelou. By leaving them with an emotional impression, from a piece of video with moving music to a line from a song or poem, you’ll strike that resonant chord and end on a high.

Use a pause for key takeaways . Want the audience to remember something specific? Say it slowly and leave a pause at the end. The silence will emphasize what you said and make it meaningful.

  • Make your core message sing . A call-to-action is the best way to wrap up your presentation with strength and impact. What do you want your audience to do next? Tony Robbins tells a great story, moving his audience emotionally towards change.

How can you make a good presentation even more effective?

This page draws on published advice from expert presenters around the world, which will help to take your presentations from merely ‘good’ to ‘great’.

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

How to Give a Presentation

Giving a presentation terrifies most of us, especially when talking before a crowd of people about an unfamiliar topic. Never fear! There are ways to make a good presentation. The more presentations you do, the easier they will become!

Preparing For the Presentation

Step 1 Focus your presentation.

  • It's best to have 1 main thesis statement or overarching theme and 3 main points that back-up or flesh-out your main theme. Any more than that and your audience is going to start losing interest. This means that any facts and information that are a part of your presentation should back up these 3 main points and overarching theme.
  • For example: If you're giving a presentation about 17th century alchemy, bringing up the history of alchemy is fine (and probably necessary), but don't mire your audience in its history instead of focusing alchemy in the 17th century. Your 3 points could be something like "alchemy in public opinion," "famous 17th century alchemists," and "the legacy of 17th century alchemy."

Step 2 Less is more.

  • Pick your very best supporting facts, information, or quotes for your presentation. Don't bury your audience in information.

Step 3 Decide whether to use media or not.

  • Make sure you're using media to enhance your presentation and not to drown it out. The presentation is key. Anything else is just accessorizing.
  • For example: to get back to 17th century alchemy, to back up your information about alchemy in the public opinion, you might want to show images from public pamphlets about the dangers of alchemy and see what people of the time period had to say about it and see what the more famous alchemists had to say about it.
  • Also, you want to make sure that you pick a medium that you are comfortable in and thorough in knowledge. If you don't know a thing about PowerPoint, maybe consider writing your main points on a white board, or passing out handouts with your main points and evidence on them. [3] X Research source

Step 4 Practice.

  • A good tip is to film yourself or audiotape of yourself giving your practice presentation so you can see what distracting verbal and physical tics you have, so that you can work on eliminating them before the presentation itself. (Verbs tics would be things like "um..." and "uh..." and using "like" inappropriately; physical tics are things like shifting your weight from foot to foot or messing with your hair.) To stop yourself from saying "um" or other unwanted tics, be aware you're doing it first, then speak more slowly and deliberately. Breathe deeply and feel free to pause and appreciate the silence. These will all help you to have mastery over your tics.
  • Just remember that rehearsals usually run about 20% shorter than your actual presentation, so take that into account if you're running on a time limit.

Step 5 Visualize success.

  • For example, if you aren't comfortable wearing heels, don't wear them just for the presentation. You'll be distracted by your discomfort and that will come across in the presentation. There are plenty of good shoe choices that have no or a low heel.
  • Clean, nice slacks or a skirt and nice, button-down shirt in neutral colors are always good choices for presentation wear. You also don't particularly want your clothing choice to distract from the presentation, so perhaps avoid that brilliant hot pink shirt.

Giving the Presentation

Step 1 Deal with the jitters.

  • Before the presentation, clench and unclench your hands several times to deal with the adrenaline and then take 3 deep, slow breaths.
  • Call up a smile, even if you feel like hurling. You can trick your brain into thinking that you're less anxious than you actually are and you'll also be able to hide your nervousness from your audience.

Step 2 Engage the audience.

  • Make eye contact with your audience. Don't stare at one particular person, but section up the room and make eye contact with someone in each section on a rotational basis.
  • Have a big, welcoming smile on your face, with lots of energy, so you start out from a strong and engaging place.
  • Ask questions of your audience and take questions during your presentation. This will make it more of a conversation and therefore more interesting.
  • Tell an amusing anecdote to illustrate your point. From the above examples about 17th century alchemy, you could find an amusing alchemical anecdote from the time period, or you could talk about your own forays into alchemy.

Step 3 Give an engaging performance.

  • Move around, but make your movements deliberate. Don't nervously shift your feet (in fact, it's a good idea to imagine that your feet are nailed to the floor except for those times you deliberately choose to move).
  • Use your vocal inflections to create a more dynamic presentation. Vary your voice as you're talking. Nobody ( ever ) wants to sit there and listen to someone drone on and on in dull monotone, no matter how interesting the material (think Professor Binns from Harry Potter; that's what you don't want).
  • Try to create a balance between rehearsed and spontaneous. Spontaneous, on the spot, movement and asides can be great as long as you are really comfortable, otherwise they can sidetrack your presentation and make it rambling. Mess around with spontaneous and rehearsed when you're practicing and you'll get a feel for it.

Step 4 Treat your presentation as a story.

  • Quickly introduce your topic and don't assume that your audience is familiar with all the terms, especially if your topic is one that isn't widely known.
  • Figuring out why you want (or have to) give this presentation will help you work with an overarching story/theme. Maybe you want to pass the class. Maybe you're convincing people to give you money or join you in a philanthropic endeavor or act for a social or political reason. Channel that desire into your presentation. You're answering the question of why they would want to pass you or why they would want to fund you. That's the story you're telling.

Step 5 Talk more slowly.

  • Make use of pauses, and learn to be comfortable with silences. Silence can be a powerful presentation tool and gives you a chance to take a moment to recompose. By taking pauses, you can slow down your breathing and be more deliberate in your speech, avoiding speaking too quickly.
  • Have water with you and take a sip when you feel you're going too fast.
  • If you have a friend in the class or meeting, arrange with them beforehand that they will let you know with a signal whether you're talking too quickly. Look over their way occasionally and check your progress.
  • If you find that you're running out of time and you haven't finished, simply drop or summarize your leftover material. Acknowledge the leftover material as something that can be discussed later or in the Q&A.

Step 6 Have a killer closing.

  • Make it clear what the listeners now know and why it is important that they have this new information.
  • Conclude with examples or stories about your main point and take home message. You might want a slide which summarizes your presentation. For example, you might conclude with a story about the nature of alchemy in the modern era (perhaps in a film) to show its malleable nature.

Slideshows are an intuitive way to share complex ideas with an audience, although they're dull and frustrating when poorly executed. Here are some tips to make your Microsoft PowerPoint presentations sing while avoiding common pitfalls.

It all starts with identifying what we're trying to achieve with the presentation. Is it informative, a showcase of data in an easy-to-understand medium? Or is it more of a pitch, something meant to persuade and convince an audience and lead them to a particular outcome?

It's here where the majority of these presentations go wrong with the inability to identify the talking points that best support our goal. Always start with a goal in mind: to entertain, to inform, or to share data in a way that's easy to understand. Use facts, figures, and images to support your conclusion while keeping structure in mind (Where are we now and where are we going?).

I've found that it's helpful to start with the ending. Once I know how to end a presentation, I know how best to get to that point. I start by identifying the takeaway---that one nugget that I want to implant before thanking everyone for their time---and I work in reverse to figure out how best to get there.

Your mileage, of course, may vary. But it's always going to be a good idea to put in the time in the beginning stages so that you aren't reworking large portions of the presentation later. And that starts with a defined goal.

A slideshow isn't supposed to include everything. It's an introduction to a topic, one that we can elaborate on with speech. Anything unnecessary is a distraction. It makes the presentation less visually appealing and less interesting, and it makes you look bad as a presenter.

This goes for text as well as images. There's nothing worse, in fact, than a series of slides where the presenter just reads them as they appear. Your audience is capable of reading, and chances are they'll be done with the slide, and browsing Reddit, long before you finish. Avoid putting the literal text on the screen, and your audience will thank you.

Right off the bat, we're just going to come out and say that Papyrus and Comic Sans should be banned from all PowerPoint presentations, permanently. Beyond that, it's worth considering the typeface you're using and what it's saying about you, the presenter, and the presentation itself.

Consider choosing readability over aesthetics, and avoid fancy fonts that could prove to be more of a distraction than anything else. A good presentation needs two fonts: a serif and sans-serif. Use one for the headlines and one for body text, lists, and the like. Keep it simple. Veranda, Helvetica, Arial, and even Times New Roman are safe choices. Stick with the classics and it's hard to botch this one too badly.

There reaches a point where bullet points become less of a visual aid and more of a visual examination.

Bullet points should support the speaker, not overwhelm his audience. The best slides have little or no text at all, in fact. As a presenter, it's our job to talk through complex issues, but that doesn't mean that we need to highlight every talking point.

Instead, think about how you can break up large lists into three or four bullet points. Carefully consider whether you need to use more bullet points, or if you can combine multiple topics into a single point instead. And if you can't, remember that there's no one limiting the number of slides you can have in a presentation. It's always possible to break a list of 12 points down into three pages of four points each.

Animation, when used correctly, is a good idea. It breaks up slow-moving parts of a presentation and adds action to elements that require it. But it should be used judiciously.

Adding a transition that wipes left to right between every slide or that animates each bullet point in a list, for example, starts to grow taxing on those forced to endure the presentation. Viewers get bored quickly, and animations that are meant to highlight specific elements quickly become taxing.

That's not to say that you can't use animations and transitions, just that you need to pick your spots. Aim for no more than a handful of these transitions for each presentation. And use them in spots where they'll add to the demonstration, not detract from it.

Sometimes images tell a better story than text can. And as a presenter, your goal is to describe points in detail without making users do a lot of reading. In these cases, a well-designed visual, like a chart, might better convey the information you're trying to share.

The right image adds visual appeal and serves to break up longer, text-heavy sections of the presentation---but only if you're using the right images. A single high-quality image can make all the difference between a success and a dud when you're driving a specific point home.

When considering text, don't think solely in terms of bullet points and paragraphs. Tables, for example, are often unnecessary. Ask yourself whether you could present the same data in a bar or line chart instead.

Color is interesting. It evokes certain feelings and adds visual appeal to your presentation as a whole. Studies show that color also improves interest, comprehension, and retention. It should be a careful consideration, not an afterthought.

You don't have to be a graphic designer to use color well in a presentation. What I do is look for palettes I like, and then find ways to use them in the presentation. There are a number of tools for this, like Adobe Color , Coolors , and ColorHunt , just to name a few. After finding a palette you enjoy, consider how it works with the presentation you're about to give. Pastels, for example, evoke feelings of freedom and light, so they probably aren't the best choice when you're presenting quarterly earnings that missed the mark.

It's also worth mentioning that you don't need to use every color in the palette. Often, you can get by with just two or three, though you should really think through how they all work together and how readable they'll be when layered. A simple rule of thumb here is that contrast is your friend. Dark colors work well on light backgrounds, and light colors work best on dark backgrounds.

Spend some time in the Slide Sorter before you finish your presentation. By clicking the four squares at the bottom left of the presentation, you can take a look at multiple slides at once and consider how each works together. Alternatively, you can click "View" on the ribbon and select "Slide Sorter."

Are you presenting too much text at once? Move an image in. Could a series of slides benefit from a chart or summary before you move on to another point?

It's here that we have the opportunity to view the presentation from beyond the single-slide viewpoint and think in terms of how each slide fits, or if it fits at all. From this view, you can rearrange slides, add additional ones, or delete them entirely if you find that they don't advance the presentation.

The difference between a good presentation and a bad one is really all about preparation and execution. Those that respect the process and plan carefully---not only the presentation as a whole, but each slide within it---are the ones who will succeed.

This brings me to my last (half) point: When in doubt, just buy a template and use it. You can find these all over the web, though Creative Market and GraphicRiver are probably the two most popular marketplaces for this kind of thing. Not all of us are blessed with the skills needed to design and deliver an effective presentation. And while a pre-made PowerPoint template isn't going to make you a better presenter, it will ease the anxiety of creating a visually appealing slide deck.

How to deliver a good presentation

Not everyone is comfortable with standing in front of large numbers of people and delivering a presentation in the spotlight. It can be a nerve wracking experience.

But trust us, presentations become easier over time, and after reading our guide to delivering a good presentation you’ll feel more equipped. Follow our advice to better prepare, stay calm, and keep your audience hooked from start to finish. Here’s our tips on giving a great presentation.

Choosing topics for your presentation

The first step in planning your presentation is choosing your presentation topic. What you choose to talk about can make all the difference when it comes to keeping your audience engaged.

When thinking about what to do a presentation on, you need to select a topic that you know inside and out, but you can speak about in a concise way. Consider:

  • Does it match the theme of the event?
  • Can you clearly explore your topic in a short amount of time?
  • Is it something your audience will be interested in?

It’s always worth spending some time researching your audience. You’re doing your presentation for them, so they deserve to listen to something they’ll enjoy. What are their interests? How much do they know about your chosen topic? What can you share that will provide unique value?

Spend some time in the lead up to your presentation getting to know your audience. Reach out on social media, attend networking events, and find out more about the challenges they face. In doing so, you’re more likely to create a presentation that’s truly engaging.

Prepare your presentation

Preparing your presentation can seem like one long, daunting task and can make the overall process more stressful. Luckily, there’s a few things you can do to navigate the workload and tick things off your to-do list.

  • Firstly, give yourself enough time. Putting together a presentation is a lot of work, so you’ll need plenty of time to create slides, write speaker notes, rehearse and more.
  • Write speaker notes, but keep them short and sweet. If you read from your notes word for word, you’re more likely to sound robotic, and will spend more time looking at your notes than the audience. Restricting your notes to just a handful of words per slide will help you speak in a conversational way.
  • Prepare for the worst, especially if you’re feeling nervous. Think about the worst that can happen, and then plan for those scenarios. For example, if you’re worried about a potential tech issue that prevents your slides from being shown, then bring a print out of your presentation with you. That way, you can still deliver your talk.

How to make your presentation interesting

Research showed that 79% of people feel that “most presentations are boring.” So, how do you make a presentation fun and interesting for your audience?

The trick here is to think of the story you’re telling. That’s what gets the audience hooked. How did it start? Where did your idea come from? How did you solve the problem? How does it end?

You don’t need to tell your story in a simple narrative structure, however. If you want to keep your audience engaged throughout your presentation, present the information in a non-linear way. Try starting at the beginning, state how it ends, and then explain how you got there. This structure will ensure that your audience sits up and listens, as they’ll want to know how exactly you solved the problem.

To make your presentation interesting, you should also consider adding different types of media to keep your audience engaged. See if you can add:

  • Videos/recordings
  • Introductory music, if appropriate
  • A live poll which starts when your presentation does, and the results are revealed at the end.

The above are just some ways to help keep your presentation interesting for your audience. We’ll explore how you can add these to your slides in more detail below.

How to make good presentation slides

When making a presentation, try to remember that your slides are not the focus point – you are. Slides are there to support what you’re saying, not steal the show. Here’s a few tips to help you make good presentation slides.

Apple’s Guy Kawasaki uses a 10/20/30 rule when it comes to presentations:

  • No more than ten slides
  • The presentation should be no longer than 20 minutes, if possible
  • Font size should be 30 point

Following this rule is a great way to keep your presentation short and concise, with just the right amount of information on your slides. A larger font size leaves you with less room on the slide, so less chance of going overboard with the text. Anything that doesn’t make it onto your presentation slides can be added to your speaker notes or included in a ‘Further Reading’ section at the end.

When adding visuals to your slides, make sure they’re high quality and accurately capture what you’re trying to say. Try to change text into a visual element, such as an image for every bullet point, or a graph instead of statistics. It’ll make the slides appealing for your audience, and there’s less text for you to read from.

Another thing to note is that you don’t have to use PowerPoint when making presentations. There’s a variety of alternative presentation software available, such as:

  • Google Slides

Choose a software that you’re comfortable with and works for your presentation – this will help make the presentation a little easier and you can have some fun creating your slides.

Creative presentation ideas without a Powerpoint

Alternatively, you can deliver a presentation without slides. The thought of standing in front of a group of people with nothing but you on the stage may sound like a nightmare, but people can give fantastic presentations without slides. The pressure means you have to speak well, so you’ll be more memorable for your audience, too. A number of the best Ted Talks don’t use slides.

A few creative presentation ideas without Powerpoint are:

  • Make a video or interactive infographic, or use a photo slideshow
  • Utilise props
  • Use music, if appropriate. If you’re creative enough, you could even write your own song!
  • Ask the audience to participate throughout the presentation. For example, you could ask them to write down what they think of when you say a particular word, and then can discuss the results throughout the presentation.
  • Use rhetorical devices when speaking to hook your audience. These can transform a simple talk to a mesmerising experience, as you’ll paint a picture and win your audience over. See how Steve Jobs used rhetorical language in his presentations here.

How to deliver a great presentation

While the slides themselves are important, the way you deliver your presentation carries more weight. It’s not about what you say and do, but about how you make your audience feel by the end of your presentation.

Keep reading for our tips for delivering an effective presentation.

Rehearse your presentation over and over again

This is one tip you’ll hear repeatedly, but that’s because it’s one of the most important. Hopefully, you should have given yourself enough time to rehearse your presentation, both on your own and in front of people you trust. This is how you’ll get valuable feedback to help improve your presentation in time for the day.

One of the main reasons for practising is because of timing. You will have a specific amount of time to give your presentation and need to keep to it. You also don’t have a lot of time to engage your audience before their minds start wandering elsewhere.

Here’s a few timing tips when rehearsing your presentation:

  • Time yourself each time you practice
  • Write a time schedule for each section of your presentation
  • Make note of slides you spend too long on, so you know where you need to cut down
  • Remember to leave some time at the end for questions
  • Keep in mind that, on the day, time may run over slightly. This could be because of tech issues, or your audience asks more questions than anticipated. The best way to prepare for this is to select one or two slides you can afford to skip if running out of time.

If possible, try to go to your presentation venue before the day for a practice session. This way, you can get to grips with technology, the size of the room, what your slides look like on their screen, and the feeling of standing on the stage. This can give you a better idea of how your presentation may go, if you need any tech amendments, and how loud you need to speak.

Presentation anxiety tips

It’s normal to feel nervous before presenting, especially if you’re new to it. Here’s a few ways to overcome your fear of public speaking:

  • Start by remembering that the audience is on your side. They want you to do well and impress them with your presentation. They’re not there to poke holes in your talk.
  • Remember that you’ve prepared for the worst. You’ve thought about the worst-case scenarios and planned for each one (If you haven’t done this yet, make sure you do!). Also, your topic is one that you know really well – you’re the expert.
  • Have everything on-hand before the presentation. You’ll need your speaker notes, props, and a bottle of water at least.
  • Before you begin presenting, take a few minutes to yourself. Grab a drink, breathe, and remember, you’ve got this.
  • If you’re still worried about forgetting your lines, you need a quick sip of water, or you just feel like you need to slow down, you can pause throughout your presentation. It may feel like a long time for you to not speak, but to your audience, it will be a few seconds max. It’s not as painful as you think!

Start your presentation in a strong way

As mentioned earlier, your presentation needs to tell a story. So you need to captivate your audience quickly.

Think about the best way to start your presentation, not just with your slides but how you’re going to begin speaking. You don’t want to spend too much time on an introduction and should get to the first point of your presentation quickly, so think of one or two quick lines you can use to grab your audience’s attention from the start.

You could start by immediately stating the audience’s problem, or ask a rhetorical question, such as a ‘What if….’’. You can also use a hard-hitting statistic. Another idea is to start in the past or future, before jumping into the main body of the presentation. Think about how the presentation links back to lessons we’ve learned (or haven’t), or how it affects the future, and forecast that image to the audience.

This technique would also create a nice way to circle back at the end of the presentation – what does the future look like now you’ve presented your solution?

How to speak during a presentation

As we’ve mentioned before, your slides are secondary in your presentation. You need to speak well to give a memorable talk for your audience. However, this is also where your nerves can show.

If you’re feeling nervous and want to give a confident presentation, you’ll need to fake it till you make it. Here’s a few tips to help get you through:

Presentation Speaking Tips

  • Make eye contact as you speak. This will help you connect with your audience. However, if you’re too nervous to do this, try looking slightly above the audience at the wall behind them, or look at their shoulders instead. You’ll look like you’re looking directly at your audience, giving a good impression but making it easier for you.
  • Try not to talk too fast – this can happen a lot when you’re nervous. Remember, you can stop for a breather or a sip of water if need be. If you find that you’re speaking quickly when rehearsing your presentation, try and plan in strategic pauses, such as at the end of a memorable sentence.
  • Avoid going off on a tangent – always keep it short and sweet.
  • Also, end the occasional section with a teaser of what’s to come. This will help break your presentation down, give you a great opportunity to pause, and your audience is excited to learn more.

Think about your body language while presenting

Body language can make a big difference when giving a presentation. Your body language will engage the audience and present you in a confident way. If you’re slouching, keeping your arms folded or not smiling, you may alienate your audience and make them less interested in what you’re saying.

Now, here are our tips for using good body language while presenting:

  • Remember to smile!
  • Stand with a good posture, so no slouching and relax your body, so you don’t appear tense.
  • Use hand gestures if it helps you explain points easily
  • Move around the stage. Standing in one spot can make you appear rigid and closed off. By moving around, you’ll seem naturally at ease. You’ll also act as another visual element for your audience.
  • Be as open as possible. Don’t fold your arms or hunch over, as doing so will make you appear smaller on the stage.

It can be hard to keep track of your posture during a presentation, especially when you’re focusing on how you are speaking. One way of keeping yourself in check is, when you’ve given yourself time to pause, use that moment to relax your shoulders. You’ll feel more comfortable for the rest of your presentation.

Ending a presentation on a high

Your audience will remember the beginning and end of your presentation more clearly than any other part, so the end of your presentation is important – you don’t want to undermine a powerful presentation with a poor conclusion.

Make sure you summarise your key points at the end – these can be listed as bullet points on the last slide of your presentation. But you also want to leave the audience with an image in their heads.

We mentioned earlier the idea of starting your presentation by looking to the future, so now is the best time to circle back to this. How has your idea solved the problem? Why is this better for everyone? Get your audience imagining a world with the knowledge you’ve provided, and leave them clinging on to that image.

Hopefully, you will have left some time for a Q&A session with your audience, but don’t forget to hang around afterward for those who’d like to speak with you one on one.

Collect presentation feedback

Collecting presentation feedback is a great way to evaluate the success of your presentation and improve on your skills. The key is to obtain valuable feedback, so you can actually act on people’s suggestions and take something from your overall presentation experience.

You want to collect a range of feedback from both your audience and event organisers. But it’s not just a case of collecting a few comment cards at the end – there are several ways you can gauge the success of your presentation.

Non-verbal feedback is how your audience reacted throughout your presentation. So try and think about the following questions:

  • Did your audience look bored, confused, or uninterested during the presentation?
  • Did they ask questions? What kind? Were more questions asked about one section than any others?
  • Did they laugh at any jokes you included?

If there was little to no engagement from your audience, then there’s a chance that your presentation didn’t hold their attention for long enough.

Collecting presentation feedback

You should also collect verbal feedback. Collecting presentation comments from the audience is a chance to hear from them directly, and can provide you with some excellent suggestions. Send out a survey to attendees the day after the presentation, which includes questions like the below:

  • Did they understand the point of the presentation?
  • What have they learned?
  • Was the structure clear?
  • How was your delivery?

It’s also worth asking the event organisers what they thought of your presentation. Did you utilise the resources available? Did they pick up anything from the audience? Did it add to the conference theme?

Combine all feedback you’ve received and you’ll see how well you did.

I recently interviewed 20 of my customers, all in senior roles at Fortune 100 companies, and asked them their biggest pain point in presenting to higher-ups and even colleagues. What I heard consistently was that it can feel like Goldilocks bouncing from one option to the next, testing to figure out what’s “just right.” Does the audience want deep reports? Sparse slides? Something in between? Like … what?

There are many ways to build slides. I’m not just talking about crafting them well versus poorly. I’m talking about all of the important decisions regarding how to organize them, how much text to use, when to lean into a chart, the best ways to use bullets and color, and whether to include an appendix with additional information. Before you make your next proposal or request of the executive team, use this list of 11 tips for your next set of slides as a guide.

Four Things You Must Have in Every Exec’s Slides

Before we drill down into the harder aspects, the ones where your executives’ tastes may vary widely, let’s quickly cover four aspects that you can consider the building blocks — the basics you should never proceed without.

Start with an executive summary. Begin the slide deck with a tight executive summary that follows a three-act structure. First, start with stating the current realities. Second, clearly state the problem or opportunity your idea addresses and its potential impact. Third, explain how your recommendation solves the problem or exploits the opportunity and the next steps you’re proposing.

Have a logical organization. The arc of the deck — the package from beginning to end — should make sense. If your audience reads only the headline of every slide, the order should be coherent and make most of the case for you. The content below each slide’s headline must support the statement made in the title. Remove everything that doesn’t support your point; as writers will tell you, you sometimes need to “kill your darlings” when you’re editing.

Begin the slide deck with a tight executive summary that follows a three-act structure.

Make it skimmable. Help your audience to quickly grasp the point without getting bogged down in details. Create a clear visual hierarchy. Guide the reader’s eye through the content: Use bold headings, bullet points, and numbered lists to break down information into digestible pieces. Highlight key takeaways or conclusions in a different color or font size to draw attention to these critical points.

Focus on concise insights. Succinct statements with clear insights are everyone’s jam. Every slide should serve a purpose and contribute directly to the decision-making process. Distill complex information. Don’t use 100 words when 20 words will nail it. If you’re having difficulty trimming, consider using company-approved AI tools to help you take out the fluff.

Five Preferences to Confirm With the Person You Want to Reach

Now we’ll delve into what your particular audience does and does not want. If you haven’t yet, start by asking the person you’re presenting to what they generally prefer. They probably know themselves well but have not been asked to articulate how they like to receive information.

Ask how dense is too dense. Some executives prefer detailed slides with comprehensive data. Others favor a more high-level approach. You’re weighing how to balance informative content with readability, ensuring that slides are not overloaded yet are sufficiently detailed to support decision-making.

Confirm the delivery format and timing. Some execs like information presented to them. Others prefer a pre-read of the material followed by a discussion. I always recommend our tool Slidedocs (I’ve written a free e-book on them), which are visual documents using both words and images. The templates help presenters organize their thoughts into a document for a pre-read or a read-along. They are designed to be skimmable and able to travel through your organization without the help of a presenter.

I’m a huge fan of pre-reads and prefer to use my time in meetings to ask questions and build alignment. If your audience didn’t review your material in advance, ask at the top of the meeting whether they would like you to present it or would prefer to read through it and then discuss it.

Find out how much data visualization they prefer. Charts, graphs, photos, and illustrations often communicate complex data more clearly than words alone. When execs can see what you’re saying, they often can better understand the impact of your idea. Does the exec want to understand exact numbers? Bar charts allow them to move their eyes across a series of specifics. Does the exec want to know the shape of a trend over time? Line charts can show the pattern. (See “Classic Charts Communicate Data Quickly.”) Some prefer charts with annotations that draw attention to what you think is the most important point. Others want to make their own conclusions from the data.

One of my clients, the CEO of a massive commercial real estate company, doesn’t want anything visualized. He prefers numbers, only in a table, and only in two colors — black and red. You might think this is archaic. But the fact that he’s clear to his teams about what he wants takes all the mystery out of how to communicate with him.

When the stakes are high, have a conceptual thinker help with diagrams and concepts. If you don’t have one on your team, and when it’s high stakes, find an internal designer to help you or hire one. You can’t afford to have the baby (your idea) thrown out with the bathwater (terrible slides).

Identify which details need spelling out. How well do the people you’re presenting to know the landscape and function of the company and products you’re talking about? For example, if your engineering team threw a slide into a deck about an issue that requires executive approval, do the execs all speak geek? Or do you need to explain the technology so that they will really understand the ask? Either eliminate internal jargon and acronyms or unpack those bits, especially if your proposal deeply involves expertise outside of the executives’ domain.

Ask whether appendices will be useful. When you’re organizing a presentation, you often troll data, read through complicated reports, and even hire external experts to figure out what’s best for the company. Do your execs want access to that supporting data? You can add a document to the end of the presentation as an appendix to show all of the data and source material. This allows the main content of the slides to remain focused and accessible while still providing comprehensive background information for those who want more.

Two Tips to Improve Your Presentation Skills

Getting materials in place is the biggest step. They will be your best tools for selling your ideas. But there are two extra areas to pay attention to as a presenter: how you handle questions and how you use every experience to improve.

Anticipate questions, and practice your answers. Before you have your meeting, gather a small team to challenge every point you make. Invite colleagues you trust to role-play as “a rapidly inquisitive exec” or “the doubting naysayer exec” so you are prepared to present your idea well. They’re gonna grill you, and practicing will help you remain unruffled when it happens.

Honestly, this feels like a trap, inviting you to reveal your shortcomings and ruin your chances at getting hired. 

But, regarding job interviews , nothing is ever haphazard! So, you probably won't be too surprised when we tell you that there's more to this question than meets the eye. 

When recruiters ask about your weaknesses, here's what they actually want to know : 

  • Whether you're self-aware and capable of introspection. Can you look at yourself and recognize your deficiencies? And can you be self-critical? Because both of these are key qualities of anyone's dream employee. 
  • Whether you're reliable. Not in the sense of being able to do anything and everything. But in the sense of knowing your limits and being honest about communicating them. Because employers need to know that you won’t bite off more than you can chew. 
  • Whether you have a “growth mindset". Next is their interest in your ability to face challenges. Do you perceive them as opportunities to grow and develop professionally? Or avoid them completely? 
  • Whether you're a good fit for the company culture. Lastly, they want to gauge how well you work with others. For example: Would you be able to own up to your mistakes, learn from them and move on? Or are you more likely to play the blame game? 

As you can see, your response can offer a glimpse into your resilience, workplace attitude and adaptability . Qualities that are invaluable in any professional setting.

A “good weakness” is one that isn't core to the job in question , is believable, and is possible to work on .

Of course, there's no one-size-fits-all set of weaknesses because everyone's experiences and challenges are unique. However, there are a couple of common vulnerabilities that you may find relatable AND are suitable.

In case you're struggling to identify yours, this list may help you find it: 

  • Lack of professional experience with non-essential skills.  
  • Taking criticism too personally. 
  • Imperfect presentation skills. 
  • Struggling to ask for help. 
  • Discomfort with giving criticism. 
  • Difficulties delegating tasks to others.

  • Difficulties with prioritizing tasks. 
  • Inability to let go of projects.
  • Being too blunt. 

And now, let's look at each of these in more detail. Plus, we'll also briefly discuss how you can try to fix them. 

#1 Lack of professional experience with non-essential skills

In other words, not having a deep understanding of a skill that may be beneficial, but not indispensable. For example, while a project manager isn't required to have proficiency in graphic design, knowledge of Illustrator may be useful for creating simple visual materials for presentations.

This weakness is relatively safe, yet it still communicates your “growth mindset.” Plus, it's an easy fix – just mention a particular course that targets the skill in question .

#2 Taking criticism too personally

This one is pretty real and believable. The ability to receive feedback and objective criticism is necessary for any professional, yet it's not something that comes naturally to many.

For instance, you could say that in the past, it was difficult for you to distinguish between criticism of you as an employee, and criticism of you as a person . But through a conscious shift in mindset, you came to recognize it for what it really is – an opportunity to improve.  

#3 Imperfect presentation skills

Another fairly common weakness is the fear of public speaking . Whether it be presentation for teams, your management, or clients, some degree of public speaking is necessary for pretty much any corporate position.

To improve upon this weakness, you can enroll into a course (such as this Harvard University course via EdX) where you can hone these skills and earn a certificate.   

#4 Struggling to ask for help

You simply can't be a lone wolf in a corporate setting. So you can talk about your inability to ask your colleagues or supervisors for help because you don't want to add to their workload and seem like a burden.

But after several negative experiences you've realized that seeking assistance is the responsible thing to do, because it facilitates the completion of projects . So, you've decided to work on your communication skills , and now you’ve become more productive.

#5 Discomfort with giving criticism

If you happen to occupy a leadership position, it doesn't matter to what capacity, there are times when you have to put your foot down if something isn't working . And not everybody is comfortable with that.

There might’ve been situations where you avoided giving your junior colleagues criticism out of fear of being too harsh. But mention that you're working on this problem by going through a leadership and communication programme . 

#6 Difficulties delegating tasks to others

Another weakness you could mention is reluctance to pass tasks to others . Whether it stems from your desire for perfection, not wanting to increase your colleague's work load , or your need to have things under control, this weakness of yours has caused a decrease in overall team efficiency.

But soon enough you've come to recognize your own faults. You've started by delegating small, low-risk tasks at first. Gradually, you've established open communication for any question or feedback, and learned to trust your colleagues more. As a result, the productivity, efficiency and job satisfaction of your entire team increased. 

#7 Impatience with slow processes

For instance, your lack of patience manifested whenever you felt that your own work pace was hindered by your colleague’s slower tempo. And sometimes, it caused tensions within the team.

So, you did a bit of research and discovered that there are stress-reduction techniques you could learn that target your impatience management. Additionally, you developed a habit of using the extra time between projects by tackling smaller tasks which keep you occupied and productive.

#8 Difficulties with prioritizing tasks

Maybe you're that type of person that says “yes” to everything and then ends up struggling to juggle all the tasks you took on. Because of this, you've reached out to a professional who advised you to work on your time management skills .

Maybe you've gone through a training in the ABCDE method , and now you're able to categorize your tasks based on their urgency. You felt the results of your effort immediately – you became less stressed, which improved your productivity, as well as your relationship to work itself. So now you feel more confident and in control. 

#9 Inability to let go of projects

Imagine this: you've managed to complete your project ahead of time and instead of marking it as complete and moving on to a new task, you just keep coming back to it. Even if the project is executed to perfection.

As a result, the awkward workplace tension disappeared and your co-workers became more receptive to your feedback.

Essentially, you should approach the weaknesses for job interview question as an opportunity to demonstrate that you're not only aware of your faults but that you're also actively trying to overcome them . 

So, the perfect answer to "What is your greatest weakness" should follow these 4 steps:

First, select a real weakness that you’ve actively worked/are working to improve. For instance, do you tend to take criticism too personally? Can you be impatient with slow processes? Do you struggle to ask for help?

Next, describe how and when you noticed this weakness. Maybe you received feedback from your supervisor? Or a project you worked on didn't go as planned? In any case, outline what exactly was the problem.

Then, you have to show that once you became aware of this weakness, you rose to the challenge and decided to work on yourself. Being aware is not enough. You must also show willingness to grow. For example: enrolling in a course, mentorship programme, workshop, or developing new habits and practices.

Finally, share the results of your efforts. Ideally, you'll be able to show how your newly sharpened tools contributed to your team or project. And don't be afraid to acknowledge that you're still working on them, if that's the case.

Although this structure is fairly simple, it works wonders! Feel free to use it when preparing your answers. And remember, the narrative is entirely in your hands!

And if any of these correspond with your own weaknesses, you can just copy and tweak them so that they reflect your own experience. 

Weaknesses for job interview: Presentation skills

“My biggest weakness is my presentation skills. It was only last year that I realized my public speaking skills needed improvement. I was really struggling to overcome my nervousness during team presentations. I realized very quickly that I have to do something to get better at it. So I enrolled in a public speaking course and practiced at every opportunity I got: presentations, reports, even family gatherings! After two months I noticed that I became more confident and comfortable during presentations. I’m by no means perfect, but I received positive feedback from our clients recently. ”

Weaknesses for job interview: Delegating tasks

“The thing I really struggled with in the past was my ability to delegate tasks to my co-workers. I’ve always felt this need to ensure that every single task is completed to a certain standard. And I used to have problems trusting my team even though they always did a stellar job. Eventually, this caused unnecessary tension among us. I realized that it was me who was at fault. So, I decided to work on myself. I improved my communication skills and made sure that my team knows that they can turn to me with any questions. After some time, our relationships and mutual trust improved. And we were able to complete complex projects well ahead of deadlines . If I recall correctly, our overall productivity improved by some 20% . ”

Weaknesses for job interview: Asking for help

“ I remember that when I started out as an accountant, I suffered from a serious imposter syndrome. I was self-conscious of my lack of experience, so I felt that I needed to prove myself. Plus, I really didn’t want to seem like a burden, so whenever I was struggling with new systems or processes, I simply wouldn’t ask anyone for help . Of course, now I know how unfounded and unprofessional this behaviour was. The key thing I’ve changed was my own mindset . I started to look at these challenging moments as opportunities to foster stronger teamwork. I feel that by reaching out to others, I learned a lot about the importance of collaboration. And it also made me more patient with newcomers ! Now, I always make sure they know that they can reach out to me with anything and not feel bad about it.”

Weaknesses for job interview: Being too blunt

“When I look back on my previous work experience, I can definitely say that I used to be pretty blunt when it came to giving feedback to my colleagues. See, I’ve always valued honesty and transparency above everything. And I thought that that’s what makes effective workplace communication. But I was so wrong! My co-workers often felt that I’m being too insensitive, and that caused tension between us. To address this, I enrolled in a leadership programme that taught me how to better phrase my concerns. I’ve found the ‘praise-criticism-praise’ technique especially useful! Soon, all that awkward energy was gone. And my co-workers actually became more receptive to my feedback and we worked much better together as a team .” 

Now that we've gone over the best answers, let's also talk about how NOT to present your weaknesses.

Again, it's pretty simple, just avoid doing these things: 

  • Saying that you have no weaknesses. Who’re you trying to fool my friend? Certainly not the recruiters! Indeed, if there's one way to communicate your lack of awareness, it's this! 
  • Trying to pass your strengths for weaknesses. Not even Michael Scott can pull off a Michael Scott. So, skip saying you're too much of a perfectionist, or that you work too hard! 
  • Using a skill/quality that's essential for the job as your weakness. For example, if you're applying for the job position of an accountant, don't say you're bad at maths or that you pay no attention to details. 
  • Oversharing personal information. Just to be clear, recruiters don't care much about the details of your weaknesses. Maybe your nervousness about public speaking is rooted in a bad experience from childhood. Even if so, keep this detail to yourself. Instead, go into lengths about how to address and correct your weakness.  

To sum it all up, the weaknesses for job interview question isn't a strategy to reveal your faults, but an opportunity to show that you're self-aware , introspective , and determined to continue improving on your weak areas. 

When preparing your answer, try sticking to this simple, yet effective structure:

  • Introduce your weakness.
  • Provide a real-life professional context.
  • Demonstrate your effort and determination to improve.
  • Mention the results of your improvement (if possible).
