Plan of Study

Completing a Plan of Study form allows you to plan your courses to make sure you meet all the degree requirements. As you complete the form, please refer to the following information:

  • All degree requirements must be letter graded (A-E) courses except for the “total credits” and “optional” degree requirements.
  • Technical courses are engineering, math, statistics, and science courses.
  • Entrepreneurship courses and AERO 585 are not technical courses.
  • Math 404, 417, 425, 448, 450 or their cross-listed classes
  • CPT credit (ENGR 998)
  • ELI courses
  • Courses with number 990, 995 or other course with “doctoral,” “dissertation,” or “preliminary” in the title

Qualifying Exam Information

You must apply prior to the examination date .

Deadline for application for ECE:

  • August 10, 2023 for September 2023 Qualifying Exam 
  • November 22, 2023 for January 2024 Qualifying Exam 
  • April 6, 2024 for May 2024 Qualifying Exam

Application instructions will be emailed to you from the ECE Graduate Coordinators approximately 1 month before each deadline.

Continuous Enrollment

In order to encourage timely completion of the degree, University policy requires doctoral students to register every Fall and Winter term until their degree is completed, with very few exceptions. That is, doctoral students cannot take time off from their studies, or pursue the later stages of their degree without registering, except in special circumstances.

Introduction to Word for Dissertations

Formatting your dissertation (or thesis) will likely take more time than you expect. But using the special features described in this Guide will save you a great deal of work , particularly if you use our template (available in the box below). The earlier you begin to use these tools, the more time you'll save and the less stress you'll have as your submission deadline approaches. Students at the University of Michigan are also encouraged to contact the experts at the Library's ScholarSpace anytime you run into a problem or have a question.

To meet  Rackham’s Dissertation Formatting Guidelines  you will need to modify the standard settings that Microsoft Word uses. This guide will show you how to use the tools to make the necessary modifications.  While we do follow the requirements from Rackham’s formatting guidelines to demonstrate the tools, in the end, you are responsible for verifying that your document meets the requirements that Rackham sets.

To save yourself time and effort , please consider using our Dissertation Template (link available in the box below). Many of the settings discussed in this Guide are already included in that document.

Please note that this template doesn't follow the formatting direction of any particular Style Guide. It is your responsibility to make sure you are following the Style Guide predominant in your field, and to make any relevant formatting changes to heading styles, numbering, captions, etc... How to make many of those changes is described throughout this Guide.

A word about LaTeX

LaTeX is a writing and markup language often used in science and engineering documents because it allows for great control in creating complex equations and formulas. ScholarSpace does not maintain a template for dissertations created with LaTeX, and we can only provide very limited support for it. That said, there is a community of U-M folks who actively maintain  this LaTeX template to keep it in line with Rackham's guidelines .

Can I use Google Docs for my dissertation?

No. Google Docs can get you pretty far down the road to something that looks like what Rackham requires, however, it's going to take a lot more work to get that far, and as you approach the finish line there will be obstacles that Google Docs just won't be able to get around. The issue is that Google Docs was not designed for complicated documents like a thesis or dissertation. To get it to do many of the special things that Rackham requires, you'll have to do a lot of work that Word will just do for you . A few examples:

  • Rackham requires 1" margin on all pages, but a 2" margin at the top of each new section. You'll have to manually adjust every relevant page yourself in Docs to get this, but Word will just do it automatically.
  • Docs gives you three choices for how your Table of Contents will look, none of which are suitable for Rackham. While you can adjust the format, many aspects of it (such as spacing) will revert to the original every time you update it.  With Word, you're in charge of what your ToC looks like.
  • In Docs, you'll have to manually type in your figure numbers ("Figure 3.6") and change them every time you add or move them. But Word will manage numbering and caption placement for you, it will renumber figures or tables as you add or move them, and it will create your List of Figures/Tables automatically – correct page numbers and all. 
  • With Word's figure/table numbering, you can also insert cross-references so when you refer to "(see Figure 4.2)" but then you add some new figures before that, not only will Figure 4.2 renumber itself automatically, but anywhere you've referred to it will be updated, too. No more anxiety about whether you've updated everything accurately.
  • Page numbers: Rackham wants the first two pages to have no page numbers, the rest of the frontmatter to have small roman numerals, and the body of the document to have arabic numerals.  Docs just plain can't do that.

We also regularly offer a workshop that serves as an introduction to the most useful features, and you can set up a meeting with a ScholarSpace expert anytime you run into something that you can't figure out. 

Writing Assistance

This Guide is all about how to properly format your dissertation -- how to make it look the way Rackham wants it to look. But what if you need help with the actual composition  of your content? Our friends at the Sweetland Writing Center offer such assistance, through their Writing Workshop program. From their website:

These are just a few quick but especially important tips to help you get started. See our more expansive Tips & Troubleshooting section for suggestions that are a little more complex.

  • Save early , save often, and create backup versions as you go along. Consider setting up Microsoft OneDrive (you have free access with your umich login credentials). With this, you can turn on "Autosave" in Word to automatically save your document at regular intervals.

  • Use our template (available above), it will save you lots of time. Nearly all of the difficult formatting stuff we discuss in this Guide is already built into the template. Consider doing all of your writing in it -- even if you're working in separate files for each chapter, you can use a copy of the template for each one of those chapters.
  • Set the margins including the two-inch margin for chapters titles  ( Setting Margins ) .
  • Define styles for Headings 1-3, Normal, Captions, and Quotes – these are most common; you may need others ( Working with Styles ).
  • If headings need to be numbered (for example, 1.1, 1.2, 2.1, etc.), define a multi-level list ( Automatic Numbering ).
  • If captions need to include the chapter number, define a multi-level list ( Automatic Numbering ).
  • Share your file(s) with your advisors using Track Changes ( Commenting and Reviewing ) .
  • If you use EndNote to manage your citations and create your bibliography, use only one EndNote library for your entire dissertation (see our EndNote Basics guide).
  • Did we mention that you really ought to try out our template (available above)?

Research and Dissertation

The rewarding process of carrying out the interdisciplinary research plan set out in the AIM Thesis Proposal in collaboration with the two co-advisors is the capstone of the AIM Ph.D. program. There will typically be pitfalls, and the final form of the project may well differ from the original plan, but this is the very nature of fundamental research.

Students are strongly encouraged to prepare and update written drafts and outlines of their research plans and results from the beginning of their research, i.e. starting in the first year. Ideally, manuscripts will be prepared and submitted for publication before the final year of the Ph.D. When both co-advisors are satisfied with the quantity and quality of the completed research, the research should be assembled into a dissertation. The dissertation is a document that describes the entire research project, including scholarly background, methodology of research, and original results. The dissertation must be prepared in accordance with the regulations in the  Dissertation Handbook  published by the Rackham Graduate School. How to Plan Ahead for Your Defense

  • Review Rackham's Completing the Doctral Degree Requirements webpage .
  • Choose when you would like to graduate (have your degree conferred.)
  • Use this year's Defense Dates & Deadlines Timeline Table to choose your latest defense date.
  • Work backward from the defense date to see if you can make all of the deadlines associated with it.
  • Use this Ph.D. Dissertation Defense To Do List to keep yourself on track.
  • Stay in close contact with your committee members and the math-grad-office so everything goes smoothly.

The Dissertation Committee

Rackham requires 4 members to be on the Dissertation Defense committee. Be sure to check that your members meet Rackham's Guidelines for Dissertation Committee member eligibilty. In most cases, there is no change in the makeup of the dissertation committee between the Preliminary exam and the Dissertation Defense. Whether or not there are any changes, the student will need to submit a Dissertation Committee Form (which they can get from the Math Graduate Office) at least 6 months prior to the expected defense date to the Graduate Office. The student will then need to schedule the Dissertation Defense with the committee members and Mathematics Graduate Office (a procedure very similar to scheduling the Preliminary examination).

How to Submit your Dissertation Defense Committee

  • Talk to potential faculty about serving on your committee following these Rackham Rules .
  • Your co-advisor will be your 2nd reader.
  • Deteremine who will be your cognate member.
  • Ask external members to set up a Guest Account in Wolverine Access .
  • Complete this Dissertation Committee Form and send it to [email protected].
  • Once the math-grad-office has submitted your committee, check your Student Business in Wolverine Access to ensure that it is filed correctly.

Defense of Dissertation

When the dissertation is complete, and at least 6 weeks prior to the defense date, the dissertation should be submitted to the two co-advisors, who will read and evaluate the work. They will both report in writing on the quality of the research and writing to the Graduate staff, who will submit the reports to the AIM Doctoral Committee for approval.

The student will then provide each member of the dissertation committee with a copy of the Ph.D. thesis at least 2 weeks before the date of the defense. Each committee member will evaluate the dissertation prior to the defense, reporting directly to the Rackham Graduate School.

The defense of the thesis is open to the public and is a truly exciting experience. The student should prepare a 50-minute long oral presentation based on the thesis work, and should plan for a wide range of questions from the public as well as from the dissertation committee. The defense may take up to two hours, and the result of the defense will be determined by the dissertation committee at the conclusion. Congratulations, Dr. (your name here)!

How to Set up a Zoom Defense

Be sure to login to Zoom with your umich account.

Set up your Zoom meeting as follows:

  • Passcode - Yes (Be sure to give it to the math-grad-office.)
  • Waiting room - No
  • Alternative Hosts - Your committee members;  After your defense, they need to be able to ask you to leave and discuss amongst the committee.
  • Do not "enable join before host"
  • Mute Participants upon Entry
  • Do not restrict to U-M users or your parents won't be able to get in.
  • You may want to record for posterity's sake - that's up to you.
  • As soon as you open the meeting, click chat and disable chatting between attendees.
  • As soon as you open the meeting, click participants and disable "Allow participants to unmute themselves."

Requirements

Master’s degree.

Coursework Only.  No additional paperwork is necessary to graduate.

Individual Project (ME590).  If ME590 is being taken in the term of graduation, final reports must be provided to the supervising faculty via the  ME590 website  no later than the last day of finals week, the last day of the semester. Individual faculty may require that the reports be completed earlier.

Thesis.  The thesis abstract must be submitted to the Academic Services Office before the last day of classes in the term of graduation. A PDF may be sent to  [email protected] .

Dual Degree Master’s.  Dual degree students must complete the dual degree course election form prior to last day of final exams. Please note that this form must be approved by both departments and may take a few weeks to complete.

“Embedded” Masters. An embedded master’s is a master’s degree awarded “on-the-way” to a PhD in the same program. Direct PhD students (i.e. students without a Master’s degree) will receive an “embedded” master’s along the way. The student should complete the  Online Request for an Embedded Master’s  in order to have the Master’s added to his or her record.

All dissertation requirements must be completed by the deadlines listed below.  More information can be found in the  Dissertation Timeline  and in the Graduate Handbook Dissertation Section .

Deadlines to Apply for Graduation

The deadline for having a name printed in the commencement booklet is early in the term, typically the first weeks of October (fall) and March (Winter).  The ME Graduate Coordinator will also communicate these dates.

  • Master’s students should refer to Rackham’s  Master’s Degree Diploma Application Deadlines  page for further information.
  • Doctoral students should refer to Rackham’s  Doctoral Degree Deadlines .

In order to graduate, a student must complete all degree requirements by the end of the current term and apply to graduate through  Wolverine Access  in the Student Center.

Commencement

Graduation means having a degree conferred by the Rackham Graduate School at the University of Michigan. Students may graduate in April, December, or August, depending on when the degree requirements are completed.

Commencement is the ceremony celebrating graduation. ME students are eligible to participate in any or all of three separate commencement ceremonies: The  University’s ceremony ,  Rackham’s ceremony , and the  College of Engineering’s ceremony .

Eligibility to participate in Commencement can be found on the University’s Commencement website (see link above).

Diplomas are should arrive to your diploma address approximately 12 weeks after degree conferral. The standard size of a Rackham diploma is 8.5″ x 11″. Degree postings will appear on your official transcript approximately one month after the last day of classes.

The  Registrar’s Office  creates and distributes diplomas.  If you have questions about when your diploma will arrive, if you need to change your diploma address, or have other questions please contact the Registrar’s Office as we do not issue diplomas in the ME Academic Services Office.

You can request dissertations and theses from other libraries using the library's interlibrary loan services. There are no fees for UM-Dearborn students, faculty, or staff to place these requests.

Step-by-Step Instructions for requesting dissertations or theses through ILLiad

Some libraries will lend hardcopy or microfilm copies of dissertations or theses. These items can be difficult to obtain depending on the policies of the lending institution or library, but follow these steps to request the physical item:

1. Log into  ILLiad  at  https://ill.lib.umich.edu/illiad/illiad.dll?

2. Click on the Thesis/Dissertation  link next to  Place a Request  at the top of the ILLiad Form

3. Fill out the form as completely as possible. Make sure to fill out required fields.

4. When you have completed the form, click the "Submit Request" button. 

  • Click on All Requests  in the left sidebar to check the status of your request

5. You will be notified by email when your request is available.

  • Click on Completed Requests in the left sidebar to view all of your completed requests.

The Office of Research seeks an Administrative Manager Senior Healthcare for the newly established Office of Physician Scientist Education and Training (OPSET). The main focus of OPSET is the Michigan Medical Scientist Training Program (MSTP). The MSTP provides administrative and student services support to approximately 100 students who earn a combined MD/PhD degree in 8 years.   This program attracts exceptional students who are pursuing the path of a physician scientist with a primary focus on performing medically related research.  Additionally, the MSTP provides undergraduate research training programs that serve primarily as pipelines to recruit diverse applicants to the MSTP.  In a new initiative, we have begun to set up community building activities for postdoctoral physician scientists who are engaged in residency and fellowship training programs.

The OPSET Administrative Manager Senior Healthcare is responsible for providing overall direction and oversight of the entire office with a focus on the MSTP. This includes supervision and development of program staff; recruiting and supporting current and prospective students, and partnering with the Office of Medical Student Education, Office of Graduate and Postdoctoral Studies, and Rackham School of Graduate Studies, to develop and execute strategic programs to support students and ensure they have access to available resources needed to succeed.   The successful candidate will lead a high functioning unit and will work directly with the Associate Dean of Physician Scientist Education and Training, MSTP Director, PSET Director, MSTP Associate Directors, faculty, and staff to strategize, manage, plan, coordinate, and administer program events and initiatives in support of learners.

The primary mission of the University of Michigan Medical School Office of Research is to foster an environment of innovation and efficiency that serves the Medical School research community and supports biomedical science from insight to impact. To that end, our team is constantly striving to enhance the research enterprise, including maintaining an investigator-focused infrastructure, facilitating and diversifying investigators' avenues for funding, and streamlining research processes.

Responsibilities*

  • Overall Program management.
  • Reports to the Associate Dean of OPSET and partners with the Associate Dean to formulate and implement strategic plans for OPSET.
  • Manage the OPSET financial performance, human resources, research administration, space utilization, educational administrative activities, capital projects, IT operations and internal controls. This includes hiring, training supervising and evaluating the work of the staff to ensure that all responsibilities are performed to expected standards. Work closely with financial specialist to forecast and monitor overall budget. Oversee and approve all disbursements including student awards and financials
  • Oversee the functional operations of the various OPSET divisions including undergraduate pipeline programs, student organizations and committees, Medical Scientist Training Program and Postdoctoral career development programs.
  • Oversee the preparation of the competing and non-competing renewals of the T32 NIH Michigan MSTP training grant, as well as grants for supplemental program funding. 
  • Public speaking, including conducting and running student meetings, and addressing groups of MSTP applicants on interview days and other recruiting events.   
  • Develop and update program specific policies and procedures which adhere to those set forth by the Office of Research, the University of Michigan Medical School (UMMS), and the University of Michigan.
  • Oversee associate director and clinical preceptor faculty appointments
  • Champion DE&I efforts within the OPSET including undergraduate pipeline programs and student committees and organizations.
  • Lead a cohesive team of administrative professionals, including supporting professional development and personal growth.
  • Nurture an environment that is inclusive supportive and caring that attracts the best talent.
  • Manage student administration, including but not limited to matriculating incoming MSTP students, preparing MSTP students for transitions between medical school and Rackham Graduate School, collaborating with UMMS units such as Admissions, Curriculum, Financial Aid and Advising, as well as Rackham School of Graduate Studies to facilitate admissions and student advancement through the various stages of the MSTP. Plan and facilitate annual student meetings at various stages of the program. 
  • Work with the OPSET team to maintain and update all resources for current and prospective students, including MSTP Student Handbook, resources, program brochures etc. Oversee creation of OPSET website content (including MSTP). 
  • Provide guidance to MSTP students on curricular and administrative matters. Work with the program coordinator to monitor MSTP student progress and provide support throughout the program.  Stay abreast of curricular changes and work with program director to adapt as needed.  Work closely with MSTP counselor to ensure student needs are being met. Oversee clinical preceptor program, coordinate clinical refresher opportunities, and meet individually with students to discuss timeline and requirements for graduation.
  • Meet with prospective MSTP students, share program information during virtual information sessions, represent MSTP at career fairs and annual meetings with pre-med advisors.
  • Participate in GREAT group virtual seminars and annual meetings.
  • Working with the MSTP program coordinator and med school admissions team,  coordinate recruiting and admissions activities throughout the admissions cycle.  Plan and manage virtual interview days and all related events. Coordinate MSTP Admissions Committee meetings. Work with a team of staff and students to bring admitted applicants to campus  to learn about our program and recruit them to choose Michigan.
  • Oversee all aspects of the UM SMART and UM INSPIRE undergraduate pipeline programs and websites. Collaborate with and provide oversight for SMART/INSPIRE program coordinator during the application process and throughout each program.
  • Oversee all aspects of the OPSET postdoctoral community building programs.  Meet with and provide oversight for the OPSET career development and activities coordinator to ensure the program is moving forward and needs are met. Collaborate with the OPSET coordinator and director to support the planning and coordination of events such as seminars, research presentations and career development panels.
  • Collaborate with the MSTP Program Activities Committee to support the planning and coordination of events such as seminars, orientations, annual picnic, annual winter party, graduation brunch, new member reception and annual three-day retreat. 
  • Attend MSTP events, seminars, annual retreat, meetings, and dissertation defenses.

Required Qualifications*

  • Bachelor's or Master's degree and substantial professional experience with 5-7 years experience managing a Program and supervising staff or leading a team.
  • Previous experience in higher education administration, academic advising, admissions, student services, and/or financial operations.
  • Demonstrated strong interpersonal skills, including diplomacy and a positive, responsive, service-oriented attitude.  Being adaptive, resilient, proactive, reliable, and self-motivated are essential personal traits.
  • Excellent oral and written communication skills and the ability to collaborate across disciplines and teams.
  • Strong organizational skills with demonstrated experience setting priorities, working autonomously, producing timely results and meeting deadlines while maintaining a high level of attention to detail.
  • Demonstrated analytical and problem-solving skills with the ability to identify existing and potential problems, recommend solutions, accomplish effective resolution, and evaluate results.
  • Proficiency in typical business software such as Outlook, Word, Excel, and Power Point, Adobe, and Google sheets. 

Desired Qualifications*

  • Master's degree or PhD in education or health related field.
  • Knowledge of finance, accounting and budgeting.
  • Knowledge of personnel practices including staff, faculty, student and postdoctoral research fellows.
  • 5-7 years of professional experience in higher education administration.
  • Supervisory experience with proven ability to provide oral and written feedback, conduct performance reviews, and identify and promote staff development opportunities.
  • Experience managing research and grant activities and knowledge of pre- and post-award  management and research compliance including institutional T32 Training grants.
  • Experience managing gift funds and other financial assets.
  • Experience preparing contracts and proposals.
  • Experience with higher education milestones as it relates of MD and/or PhD students.
  • A demonstrated history of building and maintaining a positive work environment, including taking a proactive approach to work/life balance and leading cohesive teams built on trust and accountability.
  • Familiarity with platforms such as CollegeNet, Drupal and M-Pathways to accomplish tasks such as admissions, student administration, financials, etc.
  • Demonstrated discretion in overseeing confidential student information and diplomacy in resolving challenges.

Work Locations

The Office of Research operates in a hybrid work environment consisting of in-person and remote work. The selected new hire is expected to work on site at least 3 days per week in order to engage with colleagues and students.  Staff are provided with a monitor, laptop, and related accessories. Office equipment such as a desk, chair, and printer are not provided for remote work. Staff must supply their own reliable internet access.  Basic supplies, such as paper and pens, are stocked at the business location and are available for staff to pick-up should they require these to complete their work.

Supporting and participating in student events that take place outside of the normal business day (during evenings and weekends) is required.
