Once you know are comfortable with the layout of Excel, the next step is to learn how to enter and edit data in Excel.

You can enter three types of data in Excel – numeric, text, and formulas.

To enter data in any cell, just select the cell and start typing. Once done, press enter to move to the cell below. In case you are entering dates, enter it in a format that Excel recognizes as a date (such as 01-01-2020 or 01 Jan 2020 or 01/01/2020).

This video will show you how to enter data in Excel and edit already added data (such as deleting data, modifying existing data and replacing data).

This video covers the basics of data formatting in Excel.

You can format data in Excel to make it look better and to highlight some data points. For example, if you have data-set and you want to highlight the negative numbers, you can simply highlight it in red color to it.

Here are some of the common formatting I use to make my data look better and more readable

  • Center align the headers

MODULE 6 - EXCEL EXTRAS

In this video of this Free Excel training, I will show you how you can lock cells or protect worksheets and workbooks in Excel.

You can protect cells, worksheets, and workbooks in Excel with a password (or without one). Once a worksheet is protected, you’ll need to enter the password to access it (in case a password has been applied).

Note that Excel in-built security feature is not very strong and you can easily open worksheets/workbooks that have been locked. However, if you want to quickly protect it before sending it to your manager/client (so they don’t end up changing anything by mistake), it works well.

In this video, I will give you a quick introduction to  Excel macros  and the  VB Editor  in Excel.

By recording a macro in Excel, you can easily automate a lot of tasks. And the best part is that you don’t need to know any coding or VBA to do this. When you record a macro, Excel simply follows whatever you do in the workbook and create a code for it. Now you can run this code and Excel will automatically follow all the steps you showed it.

Sumit, as I mentioned in an earlier comment, I am fully retired 5 years now. In my day was considered an advance Excel user – VBA programmer. But I must confess I have learned things in your tutorials I knew about but never mastered. You tutorials say things in simple terms. I just finished lesson 8: Number Formatting in Excel. Hi and thank you for all the content. I had a question regarding the countifs function. I had the quiz question how many times does the number 3 appear between the integers 300-400. I know the answer is 120 after looking into it further I was wondering if there’s a way to get to this answer using countifs, if so how? I thought it would look something like this =countifs(b1:b100, “3**”, b1:b100, “*3*”, b1:b100, “**3”) but clearly have it wrong.

as in the video to find out answer only to Average (Sum +Sum +Average) u select the Average with associated cells and click F9 but i my excel when i tried i am not able to get that answer. do we need to press shift+f9 or it is something else

I understood how to keep one number consistent while dividing or any other signs by adding ($) sign before the letter and after the letter but

in mixed reference moving from $A$12 to $B$12, considering different column (i.e from A to B) but same number cell i,e (12) in this case i tried on my excel but i am not able to move from A to B by removing the ($) sign before A by pressing only (F4).

In a column A there are a number like for different row 302,213,556,070,111,560, … I would like to high lite the number for 302 value is red( either if it is 023 or 320 for all combination) ,556 is yellow(similar like all combination655,565) and 070is green( 007or700). Thanks very much for tutorials, I like to know if there is a way to make just a cell behave as a normal calculator. i.e this cell should be capable of summing figures that appears in another cell, while keeping last cumulative figure visible. This other cell will be the key-in cell or active cell. Example: Cell 1: =2*5, Answer appears in Cell 2, Cell 1: =3*6.8, Answer is added to the previous value resulting from (2*5) and still appears in cell 2. Kindly share a video if this is possible. Hey! in lesson4, almost at the start of the video, you select a group of cells and address them together with the help of a colon, and as you type the no. 1, it appears in every cell. when I do the same, it isn’t happening. why?

highlight the cells you want to enter the information in, type the information then press CTRL+Enter

Now I have a question, not about your course, but if you coluld solve this problem I would be grateful. Do you know how to get rid of the usernaume in comments? I know I could go via Alternative/Genereral/Microsoft Office/Username etc. but that does not solve the problem. If I put a space instead of my name, or my initials, it still writes “:” in bold character and I want a empty comment when I start writing in it.

I think it must be solved by VBA code? And I don’t know how to write it, so if you know, and if you can help me, I would appreciate that.

I think it is very annoying that I have to delete my name (or initials) in everey new comment I make. Must be a way to get around it?

I created some data in Sheet 1, Cell A1 (in Excel 2016), and I linked these contents of Sheet 1 to Sheet 2, Cell A1. I created a link to enable the contents of Sheet 1 (Cell A1) to appear automatically in Sheet 2 so that whenever I change the contents of Sheet 1, the same automatically changes in Sheet 2. To quickly go back to Sheet 1 (where the original data is contained), I used DOUBLE-CLICK method and, as expected, Excel immediately moved back to Sheet 1, Cell A1.

However, when I use my laptop at home (also Excel 2016) and try to DOUBLE-CLICK when I am in Sheet 2 in order to quickly go back to Sheet 1, Cell A1, instead of linking me to Sheet 1, the cursor is just blinking in Sheet 2.

Question: How do I change the settings of my laptop at home to enable me jump from Sheet 2 to Sheet 1 upon double-clicking the link in Sheet 2, Cell A1, to enable me to go to the actual location of my data in Sheet 1? Thank you.

I am struggling with an issue, I am unable to resolve myself and I hope you can give me right direction: In my first worksheet “dataentry” I have a column A and B, where column A is a dropdown list with numbers and column B is a dependent dropdown list related to column A. On my second worksheet “datalists” I created the value lists related to column A and B. The problem lies in the fact that on the “datalist” worksheet Column A defines the value list which should be displayed when selecting the value for Column A on the “dataentry” but that I want to see the full description from Column B from the “datalist” sheet in my dropdown list. Similarly, on the “datalist” worksheet Column C defines the value list which should be displayed when selecting the value for Column B on the “dataentry” but that I want to see the full description from Column D from the “datalist” sheet in my dropdown list.

I hope I made my problem clear and really hope you are able to help me out here.

Excel Beginner Exercises

In this article, I’m going to walk you through a couple of Excel exercises that are perfect for beginners. We will slowly ramp up the difficulty from beginner to advanced so if things are too easy for you, just scroll down a bit.

Getting started with formulas

‘Formulas?!’ You may be thinking. ‘That’s way too advanced for a first Excel beginner exercise.’ It’s not really. Let me explain why: formulas and functions are the bread and butter of Excel. If you want to work with Excel, it is wise to at least know what a formula looks like and why a formula is handy. That’s why we’re starting with this. Don’t worry, they are really not as complicated as they sound.

So let’s jump into it. We will be calculating the result of 32+57. However, we won’t be doing that ourselves, we will be making Excel do the hard work for us.

To start with a formula in Excel, we have to fill in the equals sign = into a cell. After that, we add our formula, so 32+57 in this case. The resulting cell content becomes =32+57 .

Note: all of our exercises have a Show answer button in the top-right that you can click if you cannot figure out what the answer has to be. After clicking Show answer , you can click on the cell to see the formula that was used in the formula bar. You can also reset the editor back to its default contents using the Reset button.

I hope the number 89 is showing in cell A1 of the spreadsheet editor above. The cool thing about this is that you can substitute the + for a minus – and it will also work. Or you can use the asterisk * to multiply. Or the slash / to divide. You can try all of these different calculations in the editor above if you want.

And just like that, you have learned how Excel formulas work! You can now get rid of your calculator 😉

Using Excel beginner functions: SUM

Now that we’ve seen how to include formulas in Excel spreadsheets, we can get to the real deal: functions. Functions are basically formulas with names. It’s easiest to understand with an example:

The SUM function will sum the values that you give it. We can recreate the formula that we created in the exercise above ( =32+57 ), but using the SUM function. That would look like this:

=SUM(32,57)

If you write this in a cell, it will show 89 . Exactly as you may expect. But you can add more numbers (separated by commas) to the function: =SUM(32,57,1) will result in 90, for example.

In this next exercise, we will combine the SUM function with another interesting Excel feature: references. So what are references? Once again, an example will explain this very quickly. Look at the following formula:

=SUM(A1,A2)

What do you think the result will be? The answer is: it depends. That’s because the formula uses references to cells A1 and A2 .

We know the SUM function will sum the values that you give it, but in this case we give it references to cells. When you do that, it will instead sum the contents of the cells that you reference. So the result will be different depending on the values in cells A1 and A2 . If cell A1 contains 1 and cell A2 contains 2 , then the result will be 3 .

These references can be super handy because they update automatically if the contents of the cells change. Whenever you edit the value in cell A1 , the result of =SUM(A1, A2) will also automatically update! And that’s why references are so ridiculously useful.

Now, let’s get to the exercise. We will be using the SUM function to calculate our total monthly income after expenses.

Calculating income using SUM

I hope that wasn’t too difficult. Or if it was a little difficult, that when you looked at the answer, it made sense.

Note about the answer: if you looked at the answer to the above exercise, you saw a notation that you may not have seen before. =SUM(B2:B5) . The colon : is used to mean a cell range . In this case, that means cells B2 up to and including B5 . So it is equivalent to using =SUM(B2,B3,B4,B5) . In Excel, there are often multiple ways of solving the same problem. I’d encourage you to use the solution that is most intuitive to you.

A step up: Average

Calculating the average of a group of numbers is quite simple: you sum them all up and divide by how many number you have. For example, the average of the number 1, 2, 3, 4 and 5 is: 1 + 2 + 3 + 4 + 5 divided by 5, because there are 5 numbers.

You could do this in Excel by typing =SUM(1,2,3,4,5)/5 into a cell. But there is an easier way. You can simply use the AVERAGE function. Let’s do so in an Excel exercise.

Note: you may have noticed by now that both of these functions are written in all-caps. That’s just the way function names in Excel are. So it may look like I’m screaming SUM at you, but that’s just how it is written.

More practical: Concatenate

We’ve seen functions that use numbers, now let’s look at another type of function: text functions. They are functions that take text as input or that result in text output (or usually both).

Before we get to the exercise, you need to know something about text in Excel formulas. Texts in Excel formulas are almost always surrounded by double quotes “. That’s just the way to let Excel know that it is a text.

Concatenate first and last names exercise

For the fourth of our Excel beginner exercises, we will be combining the contents of two cells. The first cell will have a first name, the second cell will have a last name in it. We would like to fill the third cell with the first name, then a space and then the last name.

We can do this using the CONCATENATE function. The CONCATENATE function looks like this: =CONCATENATE("text1","text2","text3") . If we would run this function, it would result in text1text2text3 . So it just combines the texts that you give it.

5 Easy Steps to Do the Famous Excel Assignment Sheet

Keeping up with the college schedule can be hard, especially when your university, like mine, works on a quarter system.

At the beginning of my first year, I thought using a calendar/agenda and pen would work just as great as it did in high school, but I quickly realized that most professors give out all assignments at the beginning of the term and don't remind you before the deadline. I was overwhelmed with so many assignments that I barely had time to study; everything was pilling up.

One of my roommates said that she stayed organized with a color-coded excel sheet for all assignments of the term. I later noticed that it was a trend for people to use this method, however, when I asked my friends about it, most of them wanted to do it but didn't know how to.

I had to learn how to do it myself and ended up using it for my entire freshman year. So far, it has worked wonderfully, so I figured I would share how to do it so everyone can give it a try.

Step 1. Color Coding

In this 1st step, you will decide which colors you'll be using for each subject.

Here, for example, I have my six classes abbreviated, and I colored each one differently: Linguistics is orange, Techniques of Speaking is blue and so on...

Step 2. Writing Down the Assignments

Every university has their own system regarding how assignments are given out, for example, Drexel University uses a syllabus system. Each professor will hand out a syllabus for their class at the beginning of the year, where inside, the student can find all the deadlines and assignments for the term.

Write down all the details of each assignment in the excel sheet. Add the class name, the # of the week in which it is due, the complete due date, the name of the assignment, and the status (blank or done) **more on this later.

Repeat this step for each class.

Step 3. Adding Color

This step is very simple. Select all the cells for each subject and add the color you decided on for that class. Here is how mine looks so far:

Step 4. Organizing by Due Date

To organize our sheet by due date, we must sort *custom sort* the entire chart.

Select the entire chart, every column and every line. All the assignments, no matter the class.

Right click and select *sort* - *custom sort*.

Clicking on *custom sort* must have opened the sort window.

There, you'll see a list that says column, sort by. column A. You must click on the list and change the column to the column in which your due dates are listed on.

For example: my due dates are on column D, so I change the list that says "column A" to "column D."

Next, there's a list that says sort on, values. This will remain the same so leave it at "values."

The last list says order, oldest to newest. This will also remain the same. **If yours says something different, simply click on the list and a drop down menu will pop up where you can select the option "oldest to newest."

When your "sort" window looks like this, click on *ok* to make the changes. It will organize your assignments by due date and not by class.

Step 5. Using It

The final step is to use your excel sheet, and every time you have completed an assignment, on the column status write the word "done."

"done" means you have finished the assignment.

Then, once you have turned in the assignment, you can cross off the entire line.

How to cross something of:

Shortcut in Windows computer: select the cells you want to cross off, then click Ctrl + 5.

Shortcut in Mac computer: select the cells you want to cross off, then click Command + Shift + X.

Normal way in any computer: select the cells you want to cross off, then click on the bottom right corner of the "font" section.

Once the "format cells" window has opened on the "font" section, select the *strikethrough* option under "effects."

Then click on *ok* to make the changes.

After a while of using your chart, it will start looking like this.

Make sure to add any new assignments to the chart by simply inserting a new line, changing its color and organizing it by due date. Simply repeat the 5 steps.

Description

This spreadsheet includes two separate worksheets with slightly different designs. The Homeschool design doesn't include the "time" column because we found it wasn't as critical to predict how much time a particular assignment would take. However, for high school and college, estimating the time to complete each assignment can be extremely helpful.

We designed it so that you can either print blank copies of the planner, or edit it electronically. You may be able to store and edit this planner on your mobile device if you are using Excel for iPad/iPhone or Google Sheets.

Tips for Students:

1. Customize the template: Using Excel or Word, enter your class names on the left and your typical weekly schedule. For example, use the schedule to highlight the times for each of your classes, your extracurricular activities, part-time jobs, etc.

2. Print blank copies: After customizing the template, you can print as many of these planner pages as you need, and you won't need to enter your typical weekly schedule each time.

3. Don't forget incomplete assignments: When switching to a new page each week, don't forget to go through your list of assignments and transfer the incomplete assignments to the new page.

4. Don't lose it: Keep your planner page in a folder that you always have with you. If you are worried about misplacing it, try taking a picture of it with your phone as a backup.

5. Use a mobile app: If you have a phone with the Excel or Word app or Google Docs app, and you are allowed to use a mobile device in school, you could try going paperless and editing the template on your phone. You could also try using one of the many "student planner" or "homework planner" mobile apps. The problem with this approach is that phones can be a huge distraction. If you are obsessed with Instagram or texting, it may be better to avoid using your phone if you want to get anything done.

Note to Teachers:

You are welcome to print copies of this planner to give to your students. The worksheet is pretty intuitive, but don't assume that students will know how to use it. Teach them about managing their time and help them learn how a planner can help.

One important thing that you can do to help your students is to give them a realistic estimate of how much time each assignment will take. If you get a lot of students complaining that an assignment took longer than you said, either cut back the work (if it was excessive), or use the feedback to give a better estimate next time around.

Create a to-do list in Excel

To-do lists are helpful for everything from projects at work to chores at home, and using a template saves me a ton of time. Today I’m going to share with you my favorite to-do list template . I rely on it every day to keep my head clear and organized.

You can choose from dozens of free Microsoft to-do list templates on Microsoft Create. I use Excel Web to edit my template, which is completely free!

Use formatting to easily show priority and due dates

First, I assign a priority level, start date and due date to each task. To make it easier to see which tasks require immediate attention, I like to use conditional formatting to highlight priority.

We'll start by creating the first rule to highlight high priority tasks with red color. To do this in the to-do list template, select the "Priority" column > Conditional formatting > Highlight Cell Rules > Text that contains > type "High", and keep red as the fill color. Select Done to apply the rule.

Next, let's create a rule to highlight normal priority tasks with yellow color. Select the plus sign to create a new rule. Select Specific text , type "Normal" and select yellow as the fill color, then Done .

Lastly, we'll create a rule to highlight low priority tasks with grey color. Again, we can click on the plus sign to create a new rule, select Specific text , type "low" and select grey as the fill color and black as the font color. Select Done to apply the rule.

Now that we've set up conditional formatting, it's easier to identify the priority of each task in the Excel to-do list.

Update your task status to stay on track

As I work on each task in the to-do list template, I update its status using the drop-down menu in the "Status" column. This helps me keep track of what I've accomplished and what still needs to be done. To keep track of my progress, I also update the "% Complete" column as I work through each task. Finally, if I need to add any additional details or notes about a task, I can easily do so in the "Notes" column.

That's it! With this easy-to-use Excel to-do list template, I can keep my tasks organized and stay on top of my work.

Why use dollar sign ($) in Excel formulas - absolute and relative cell references

When writing an Excel formula, $ in cell references confuses many users. But the explanation is very simple. The dollar sign in an Excel cell reference serves just one purpose - it tells Excel whether to change or not to change the reference when the formula is copied to other cells. And this short tutorial provides full details about this great feature.

The importance of Excel cell reference can hardly be overstated. Get the insight into the difference between absolute, relative and mixed references, and you are halfway to mastering the power and versatility of Excel formulas and functions.

All of you have probably seen the dollar sign ($) in Excel formulas and wondered what's that all about. Indeed, you can reference one and the same cell in four different ways, for example A1, $A$1, $A1, and A$1.

The dollar sign in an Excel cell reference affects just one thing - it instructs Excel how to treat the reference when the formula is moved or copied to other cells. In a nutshell, using the $ sign before the row and column coordinates makes an absolute cell reference that won't change. Without the $ sign, the reference is relative and it will change.

If you are writing a formula for a single cell, you can go with any reference type and get the formula right anyway. But if you intend to copy your formula to other cells, choosing the appropriate cell reference type is crucial. If you feel lucky, you can toss a coin :) If you want to be serious, then invest a few minutes in learning the ins-and-outs of absolute and relative cell references in Excel, and when to use which one.

What is an Excel cell reference?

To put it simply, a cell reference in Excel is a cell address. It tells Microsoft Excel where to look for the value you want to use in the formula.

But if you want to move or copy the formula across the worksheet, it's very important that you choose the right reference type for the formula to get copied correctly to other cells. The following sections provide the detailed explanation and formula examples for each cell reference type.

Note. Apart from the A1 reference style , where columns are defined by letters and rows by numbers, there also exist the R1C1 reference style where both rows and columns are identified by numbers (R1C1 designates row 1, column 1).

Excel relative cell reference (without $ sign)

A relative reference in Excel is a cell address without the $ sign in the row and column coordinates, like A1 .

When a formula with relative cell references in copied to another cell, the reference changes based on a relative position of rows and columns. By default, all references in Excel are relative. The following example shows how relative references work.

Supposing you have the following formula in cell B1:

As you see, using relative cell references in Excel formulas is a very convenient way to perform the same calculations across the entire worksheet. To better illustrate this, let's discuss a real-life example.

Supposing you have a column of USD prices (column B) in your worksheet, and you want to convert them to EUR. Knowing the USD - EUR conversion rate (0.93 at the moment of writing), the formula for row 2, is as simple as =B2*0.93 . Notice, that we are using an Excel relative cell reference, without the dollar sign.

Tip. By default, all cell references in Excel are relative references. So, when writing a formula, you can add a relative reference by clicking the corresponding cell on the worksheet instead of typing a cell reference manually.

Excel absolute cell reference (with $ sign)

An absolute reference in Excel is a cell address with the dollar sign ($) in the row or column coordinates, like $A$1 .

In real worksheets, it's a very rare case when you'd use only absolute references in your Excel formula. However, there are a lot of tasks that require using both absolute and relative references, as demonstrated in the following examples.

Note. An absolute cell reference should not be confused with absolute value , which is the magnitude of a number without regard to its sign.

Using relative and absolute cell references in one formula

Quite often you may need a formula where some cell references are adjusted for the columns and rows where the formula is copied, while others remain fixed on specific cells. In other words, you have to use relative and absolute cell references in a single formula.

Example 1. Relative and absolute cell references for calculating numbers

In this formula (B4*$C$1), there are two cell reference types:

  • B4 - relative cell reference that is adjusted for each row, and
  • $C$1 - absolute cell reference that never changes no matter where the formula is copied.

Another common use of absolute and relative cell references in a single formula is Calculating dates in Excel based on today's date.

And again, we use two reference types in the formula:

  • Relative for the cell with the first delivery date (B4), because you want this cell reference to vary depending on the row where the formula resides.
  • Absolute for the cell with today's date ($C$1), because you want this cell reference to remain constant.

Excel mixed cell reference

A mixed cell reference in Excel is a reference where either the column letter or a row number is fixed. For example, $A1 and A$1 are mixed references. But what does each mean? It's very simple.

As you remember, an Excel absolute reference contains 2 dollar signs ($) that lock both the column and the row. In a mixed cell reference, only one coordinate is fixed (absolute) and the other (relative) will change based on a relative position of the row or column:

  • Absolute column and relative row , like $A1. When a formula with this reference type is copied to other cells, the $ sign in front of the column letter locks the reference to the specified column so that it never changes. The relative row reference, without the dollar sign, varies depending on the row to which the formula is copied.
  • Relative column and absolute row , like A$1. In this reference type, it's the row's reference that won't change, and the column's reference will.

Mixed cell references in Excel

Below you will find an example of using both mixed cell reference types that will hopefully make things easier to understand.

For this example, we will be using our currency conversion table again. But this time, we won't limit ourselves only to the USD - EUR conversion. What we are going to do is to convert the dollar prices to a number of other currencies, all with a single formula !

To begin with, let's enter the conversion rates in some row, say row 2, as shown in the screenshot below. And then, you write just one formula for the top-left cell (C5 in this example) to calculate the EUR price:

And now, copy the formula down to other cells in column C, and after that auto-fill other columns with the same formula by dragging the fill handle. As the result, you will have 3 different price columns calculated correctly based on the corresponding exchange rate in row 2 in the same column. To verify this, select any cell in the table and view the formula in the formula bar.

A mixed cell reference is adjusted correctly for each cell.

And now, let's understand how it comes that Excel exactly knows which price to take and which exchange rate to multiply it by. As you may have guessed, it's the mixed cell references that do the trick ($B5*C$2).

  • $B5 - absolute column and relative row . Here you add the dollar sign ($) only before the column letter to anchor the reference to column A, so Excel always uses the original USD prices for all conversions. The row reference (without the $ sign) is not locked because you want to calculate the prices for each row individually.
  • C$2 - relative column and absolute row . Because all the exchange rates reside in row 2, you lock the row reference by putting the dollar sign ($) in front of the row number. And now, no matter what row you copy the formula to, Excel will always look for the exchange rate in row 2. And because the column reference is relative (without $ sign), it will get adjusted for the column to which the formula is copied.

How to reference an entire column or row in Excel

When you are working with an Excel worksheet that has a variable number of rows, you may want to refer to all of the cells within a specific column. To reference the whole column, just type a column letter twice and a colon in between, for example A:A .

A whole-column reference

As well as cell references, an entire column reference can be absolute and relative, for example:

  • Absolute column reference , like $A:$A
  • Relative column reference, like A:A

And again, you use the dollar sign ($) in an absolute column reference to lock it to a certain column, for the entire-column reference not to change when you copy a formula to other cells.

A whole-row reference

To refer to the entire row, you use the same approach except that you type row numbers instead of column letters:

  • Absolute row reference , like $1:$1
  • Relative row reference, like 1:1

Example 1. Excel entire-column reference (absolute and relative)

Supposing you have some numbers in column B and you want to find out their total and average. The problem is that new rows are added to the table every week, so writing a usual SUM() or AVERAGE() formula for a fixed range of cells is not the way to go. Instead, you can reference the entire column B:

=SUM($B:$B) - use the dollar sign ($) to make an absolute whole-column reference that locks the formula to column B.

=SUM(B:B) - write the formula with no $ to make a relative whole-column reference that will get changed as you copy the formula to other columns.

Tip. When writing the formula, click the column letter to have the entire-column reference added to the formula. As is the case with cell references, Excel inserts a relative reference (with no $ sign) by default:

In the same fashion, we write a formula to calculate the average price in the whole column B:

=AVERAGE(B:B)

Use a relative entire-column reference for the formula to get adjusted when copied to other columns.

Note. When using an entire-column reference in your Excel formulas, never input the formula anywhere within the same column. For example, it might seem like a good idea to enter the formula =SUM(B:B) in one of the empty bottom-most cells in column B to have the total at the end of the same column. Don't do this! This would create a so-called circular reference and the formula would return 0.

Example 2. Excel entire-row reference (absolute and relative)

If the data in your Excel sheet is organized in rows rather than columns, then you can reference an entire row in your formula. For example, this is how we can calculate an average price in row 2:

=AVERAGE($2:$2) - an absolute whole-row reference is locked to a specific row by using the dollar sign ($).

=AVERAGE(2:2) - a relative whole-row reference will change when the formula is copied to other rows.

Example 3. How to refer to an entire column excluding the first few rows

This is a very topical problem, because quite often the first few row in a worksheet contain some introductory clause or explanatory information and you don't want to include them in your calculations. Regrettably, Excel does not allow references like B5:B that would include all the rows in column B beginning with row 5. If you try adding such a reference, your formula will most likely return the #NAME error.

Instead, you can specify a maximum row , so that your reference includes all possible rows in a given column. In Excel 2016, 2013, 2010, and 2007, a maximum is 1,048,576 rows and 16,384 columns. Earlier Excel versions have a row maximum of 65,536 and column maximum of 256.

So, to find an average for each price column in the below table (columns B through D), you enter the following formula in cell F2, and then copy it to cells G2 and H2:

When you write an Excel formula, $ sign can of course be typed manually to change a relative cell reference to absolute or mixed. Or, you can hit the F4 key to speed things up. For the F4 shortcut to work, you have to be in formula edit mode:

  • Select the cell with the formula.
  • Enter Edit mode by pressing the F2 key, or double-click the cell.
  • Select the cell reference you want to change.
  • Press F4 to toggle between four cell reference types.

Switching between absolute, relative, and mixed references in Excel

Note. If you press F4 without selecting any cell reference, the reference to the left of the mouse pointer will get selected automatically and changed to another reference type.

Hi, Nice walkthrough, I however has another issue: I write a reference in a stationary cell, lets say =SUM(A5:A25). The area A5:A25 is marked to take user input, but because of different reasons the users will probably use "inser new row" at A5, pushing everything below down one step. This makes the reference move too, putting the new row outside of the function. I tried finding a way of defining the reference as a string rather than a direct reference but has not found a way that Excel will allow. The only way that works so far is to reference the whole column (A:A), but that of course but some limits on where you can put other necessary data. Any thoughts? And thanks in advance for any help you can give.

Hi! You can lock a reference to a range of cells using the INDIRECT function. Read more: Using Excel INDIRECT function to lock a cell reference . For example:

=SUM(INDIRECT("A5:A25"))

You can also convert your data into an Excel table and make the SUM formula refer to a column in that spreadsheet, as described here: Structured references in Excel tables .

this was incredibly helpful but I have one question/problem. I have a large excel spreadsheet to track speakers at a conference. I have mutiple tabs that are statistics for region, gender, topics etc.

So basically, let's say I lock a cell in my forumla as E$2 this means that when I copy the formula down the cells, the reference will not change as the row number is locked. But I want the column to change as it moves down but this isn't happening. Can you explain/find a solution? If I copy the formula to the right, the column alphabet would change as it’s not locked but this is not helpful so I don't understand why Excel applies two different rules to the same cell forumulation (i.e. E$2).

I may missed this is your write up but i can't get excel to add coloumns with XLOOKUP, my formula is

Please refer to attached excel sheet in which Bill of material is created. The cell L3 is multiplication factor of j3 and k3. Since k1 to k13 is merged we have used dollar symbol so that k3 link will not change. But when this set is copied for next beam set ie 1 to 13 of beam 1 to beam 2 the link is again k3 only. Is there any solution for that. If we remove dollar symbol k3 is increasing in steps of k4,k5,k6 which is not acceptable.

*Awesome article* - it fixed my problem of Excel auto-incrementing my formulas.

On a separate note, I found out that auto-incrementing (aka autofill) does not work if you have filtered your column(s). I filtered to exclude every other row and couldn't get autofill to work. Took off the filter, selected 4 rows (2 rows I didn't want and 2 that I did), dragged the autofill down and it worked.

What is a bookmark (in word), how to set and locate a bookmark (name) in excel, how to remove or edit names in excel, other reasons for using the name box.

Do you have a massive Excel workbook containing lots of worksheets with many rows and columns? Do you find yourself endlessly scrolling or jumping from one tab to the other? Stop there, because this hack will resolve this issue for you.

A bookmark is an invisible way-point in a Word document (don't worry—we'll get to the Excel bit shortly). To set one, with your cursor at the point you want to mark, go to the "Insert" tab on the ribbon and click "Bookmarks" in the "Links" group. Here, you can give your bookmark a name (with no spaces).

You can add or link to as many bookmarks as you wish in a document, and they are really useful if, for example, you want to mark and jump to an important location in your document. Doing this can also be handy to save time if you'd otherwise have to scroll through a long document, where you could also miss what you're looking for. It's also great for creating hyperlinks to certain parts of your work.

To jump to a bookmark you've set in Word, press Ctrl+G (or Ctrl+Cmd+G on a Mac), open the "Go To" tab, click "Bookmark", and use the drop-down to choose where you want to go.

However, to do the same thing (and more) in an Excel workbook, you have to take a different route.

In Excel, bookmarks are called—somewhat unimaginatively— names , accessible through the name box in the top-left corner of your workbook. In fact, every cell already has its own bookmark, or name, which you can see by selecting any cell and looking at the name box.

To jump to a cell within the active worksheet—useful if you have hundreds of rows or columns within that sheet—type the column-row reference, such as E7, into the name box and press Enter. If you have other active tabs in your workbook, you can jump to any cell within any of the worksheets by typing the tab name, followed by an exclamation mark, and then the cell reference. For example,

would take us to Sheet 2, cell G5. Or you can type just the tab name, which would take you to an unspecified location within that sheet.

You can also use the name box to highlight a range of cells. For example, if you were to type

in the name box, this would highlight these cells for you in the current sheet, handy if you want to select a large range of cells. Try this out with other combinations, such as

to highlight the whole of column R, or

to highlight the whole of row 5.

While cells already have their own reference names, you can change what they're called by selecting the cell and typing a new name in the name box. What's more, you can also name a range of data. Let's say you have an important data range in your large workbook that you need to view often. Simply select the data and give it a name.

You'll need to use a slightly different method to name a formatted table. Go to the bottom of this section for instructions on how to do this.

Excel doesn't like spaces in names. If you want to use more than one word in the name, either type them without a space (for example, TotalPrices), or use an underscore (Total_Prices).

You can also name other elements in your workbook—such as charts or illustrations—in the same way. Unfortunately, you can only use the name box to jump to a cell or range of cells (you can't jump to charts or illustrations), but naming a chart can be useful in VBA coding .

No matter where you are in your workbook, click the drop-down arrow next to the name box and instantly jump to the cells you've named.

If you prefer to use keyboard shortcuts, press F5 to bring up the Go To dialog box.

You can also create a hyperlink to named cells in your workbook. Right-click the cell where you want the hyperlink to go, and choose "Link" from the options that appear. Then, click "Place In This Document", choose the name you want to link to, and click "OK."

Naming a Formatted Table (It's Slightly Different)

If you use a table within your workbook, we recommend that you format it properly using Excel's built-in table formatter . Then, if you add additional columns or rows to your table, the name you have given to your array will extend to include the new data. Importantly, after formatting your table, you need to use a different name box, which means you'll be able to reference the table in formulas later on. We will discuss this more in the final section of this article.

Select any cell within your table, and click the "Table Design" tab on the ribbon. Head to the Properties group and change the name of your table, before pressing Enter.

You will now see the name of the table appear when you click the drop-down arrow next to the name box. Even though you used a different method to name your table, your table appears as a named array in the usual way.

You might accidentally create a name for a cell or range when you actually meant to jump to a certain item. Or, maybe, you need to change a name you've already assigned. To remove or change names in Excel, in the Formulas tab on the ribbon, click "Name Manager" in the Defined Names group. You can also create a new bookmark in the window that appears, but it's definitely easier to do this on the worksheet itself using the methods outlined above.

When you're done managing the names in your workbook, click "Close" in the bottom right-hand corner of the window.

Now that you've assigned names to cells within your workbook, let's look at other name box gems.

Reference a Name Within a formula

In the example below, we have an accounting table on a separate tab in our workbook, and want to pull data from our table on Sheet 1. Because we've named our data range, we can use that name within a formula, and Excel will help us to do that.

Start by typing the calculation you want to create. In our case, we want to sum the employees' pay.

Now, begin typing the name of the data range. In our case, it's Employee_Pay.

You'll notice that the name you have given the data range appears.

Double-click the data name.

We now want to tell Excel to use the Total Pay column within our table, and we do this by opening a square parenthesis.

=sum(Employee_Pay[

This time, Excel will bring up each column name within your named table.

Double-click the column name, close the square parenthesis, and close the formula parenthesis, before pressing Enter.

=sum(Employee_Pay[Total Pay])

This will successfully sum all values in that column, and will also pick up changes or additions to the values in the column because you've named the table. We would then go ahead and use the same technique to complete the other totals and averages in our accounting table.

Create Names for Columns in Tables

Finally, if you have a large table of data, you might want to create a bookmark for an important row or column that you want to access quickly.

Highlight your table, and in the "Formulas" tab on the ribbon, click "Create From Selection".

You can then choose which names you want to create and click "OK." In our example, if we choose "Top Row," this will result in the column names being added to the name list for easier access later on.

If you have a particularly large spreadsheet, you may not remember which names refer to which ranges. In this case, you can generate a list of names and their associated cell ranges you can reference as you type your formulas for that spreadsheet.
