Getting the Notion Templates

Notion Templates

If you select a Notion template , open the sidebar on the left of your workspace, and select Templates . In the next screen, choose the template name in the appropriate section, and click Get template . You’ll find the template in your Notion sidebar.

Notion Gallery Templates

If you choose a Notion Gallery template, access the template page with the link below. Select your Notion workspace name, and click Duplicate template . You’ll see the template in your workspace sidebar.

Third-Party Notion Templates

If you choose a template from a third-party website, use its link to access the template, then follow the on-screen instructions to add the template to your Notion workspace.

For example, to get a template from Prototion, access the template page with the link below. Optionally, donate a dollar amount, and select I Want This . Select View Template , click Duplicate at the top, and sign in to your Notion account when prompted.

One of the most useful free Notion templates for college life is the Student Dashboard . You can manage everything from classes and clubs to personal projects and to-dos. There’s even a weather section.

You’ll see a few sample courses set up to review. Select New to add a class of your own, with details like course code, professor, and year. You can also add assignments and link directly to them for the statuses, due dates, and types.

Highlights:

Simple Tables in Notion – A Complete Guide

At long last, Notion has released a Simple Table feature!

In the past, if you ever wanted to add a table of simple data to a Notion page, you had to use a database block. While this worked well enough, there were many cases in which a database introduced too many unneeded features and bloat.

The Simple Table block fixes this problem, allowing you to embed a basic, non-database table in your pages.

So, how and where should you use it in your workspace? This is your guide to answering that question. Here we’ll cover:

• How to create a simple table
• The simple Table block’s features and options
• Limitations with simple tables
• Two useful tricks you can use with these tables

How to Create a Simple Table in Notion

Creating a simple table in Notion is, well…. simple. Just hit the / command and search for Table .

You’ll notice that the Table view for Inline and Full-Page Databases has now had its label changed. It now explicitly indicates that it’s a database.

Additionally, the / command’s options have been simplified. When you type in the term “table” here, you’ll only see the simple Table block, the Table database views, and the Table of Contents block.

Simple Table Features

In many ways, the simple Table block is quite similar to a table-view database – just drastically stripped-down and simplified.

The primary benefit of this block is the removal of the Database block’s standard “Name” property, which cannot be hidden or accept rich-text formatting.

For basic tables of data, this property is often not needed. Databases are more useful for data that needs to be calculated, filtered, and sorted – or for running templates (like a task manager or note-taking system ).

Here’s a rundown of the features you’ll find in simple Tables.

Simple table cells accept rich-text formatting, just like Text blocks. This includes formatting like bolding and italics , comments, and links (both internal and external). You can see an example of this formatting in the image near the top of this article.

You can hit the + icon to the right or bottom of the table to create singular columns or rows, or you can click and drag the bottom-right corner of your table to quickly add as many rows and columns as you want.

In the simple Table block menu, you can set both a Header Row and Header Column:

You can also drag and drop rows and columns to re-order them. Currently, this is the only way to sort rows without turning the simple Table into a database (more on that later in the article).

There’s also a button in the table settings menu that will quickly set the table to the current width of the page.

Finally, you can turn a simple table into a database! This is useful for when your table ends up needing more features, filters, or sort criteria.

Additionally, you can turn a database into a simple table as well. However, note that a database cannot be turned into a simple table if it contains any of the following properties:

• Files & Media
• Created Time
• Last Edited Time
• Last Edited By

Additionally, according to Notion’s team , databases with multiple views (e.g. a Table view and Board view), content within pages, or hundreds of rows will also not be able to be converted into simple tables.

This limitation is in place to prevent the loss of data that only databases can store.

Simple Table Use Cases

Where should you use a simple table in Notion?

If you’re wondering how best to make use of this feature, here are a few ideas to get you started:

• Comparison tables
• Logs for recurring events
• Glossaries of terms
• Ingredients lists with quantities (for recipes)

On the other hand, the database block will still be more useful for tables of information that involve dates, totals, and other dynamic information.

Limitations of Simple Tables

Currently, simple Tables in Notion have a few limitations.

The primary limitation is that you cannot create additional blocks within table cells. You also can’t drag and drop existing blocks into table cells either. Currently, cells only accept text, though they can be formatted as described above.

There are few more “soft” limitations:

• Sorting is only possible via dragging-and-dropping rows and columns
• Copying multiple cells isn’t supported
• Pasting data into multiple cells (e.g. pasting data from another table or Excel spreadsheet) isn’t supported

I say there are “soft” limitations because you can actually get around them in a simple way. This is the first of the two tricks I want to teach you:

Sorting Tables and Copying Across Multiple Cells

All you need to do to sort a simple Table or copy/paste across multiple cells is turn it into a database first.

Databases in Notion support all of these features, and they also allow for more complex CSV merges.

If want to copy multiple cells, or paste data into multiple cells, simply:

• Turn your table into a database
• Carry out the copy/paste operation
• Add a Sort if you want
• Turn the database back into a simple Table

Combine Simple Tables with Templates and Synced Blocks

Finally, it’s worth noting that you can combine these simple Tables with synced blocks , templates, and database templates , too!

Here’s a practical example of why you might do so. Here I have a recurring task template with a task log inside it.

In Notion, the only way to create “recurring” tasks is to create a formula that tells you how far in advance to move the due date after you complete the task each time (for more, check out my full tutorial + template for recurring tasks ).

However, you may want to keep some notes each time the task is completed. By adding a simple Table to your recurring task template, you can do so!

Wondering how to insert a table in Notion? This tutorial is all you need.

In Notion, one of the best ways to organize and view data is by using a table. It offers an efficient way to present and analyze data. Notion comes with different types of tables, and users often get confused as to which type of table to use.

In this article, we’ll look at how to quickly add the right type of table to your workspace.

Let’s get started!

Different Types of Tables in Notion

In Notion, there are three different types of tables:

Simple Table

A simple table in Notion is a basic table made up of rows and columns. It allows you to input both text and numerical data into the cells. Additionally, you can also set headers to the columns for better organization and clarity.

Database Table

A database table is a more advanced type of table in Notion. It allows you to create databases with different properties such as Numbers, Select, Multi-select, Date, Status, and more. With a database table, you can create multiple views, filter, and sort data, add formulas, and link records across tables. This type of table is often used for organizing complex information and creating custom workflows.

Inline Table

An inline table is a database table embedded within a page in Notion. It allows you to include a table along with other content blocks, making it easier to visualize and organize data within a specific context.

Now that we know the different types of tables in Notion let’s look at how to add them to your Notion page.

How To Create a Simple Table in Notion

A simple table is a stripped-down version of a database table that lacks spreadsheet-like features like sorting, filtering, and grouping. This table block primarily serves to display data in a table.

That said, let’s look at how you can create a simple table in Notion.

1. Adding a Simple Table

• To add a simple table, open the Notion page on which you wish to add a table and move your cursor to the beginning of the line, and tap on the “+” icon. Alternatively, you can use / and type Table .
• This will open a popup showing the available Notion blocks. Scroll down and under Basic Blocks section, click on the “table” option.

To adjust the table size on your Notion page, you can change it from a compact view to a full-width size by customizing it.

If you wish to match the table size with your Notion page, here is how you can do it:

• Move your mouse cursor to the top of your newly added table and you’ll see three options appear.
• Tap on the “table width” icon, and the table size will change accordingly from compact size to full width and vice versa.

2. Adding Row and Columns to a Simple Table

On your Notion page, you can now see a table, but it is still an empty table with lines that require some formatting and values to make it clearer.

For adding values, it is necessary to add rows and columns; so here are the steps on how to do it.

• Move the mouse cursor on your table toward the end of columns and rows.
• You’ll see a plus icon at the end. Click on it to add a column or row.
• Alternatively, you can also find a “drag icon” at both the column’s and row’s end, using which you can seamlessly add any number of columns and rows.

3. Deleting Columns and Rows in Simple Table

Most times, users create more rows and columns than required and might want to remove them later.

There are two ways you can delete columns and rows in a table. Let’s look at both cases closely.

Deleting columns and rows in the table from ends,

• Drag your mouse cursor to the column and row end on the table.
• Now, using the drag icon, move the cursor inwards to delete rows and columns.

Deleting columns and rows in the table from between,

• Move the cursor toward the end of the row and column you wish to delete.
• Tap on the select icon, and you will see an option to delete the row or column.

How To Create a Database Table on a Notion Page

Database table is different than a simple table as it is made for more complex tasks. It comes with powerful features such as database custom properties, relationships between different tables, formulas to perform calculations and create dynamic content and much more.

Let’s look at how to add a database table and work with it.

1. Adding a Database Table on the Notion Page

• To add a database table, open a Notion page and tap on the “+” icon and select the “Table view” option under the databases section.
• Notion will ask you to select an existing data source to populate your table or you can create a new database and populate it with content.

Based on your selection, Notion will create a table database that you can customize further.

2. Inserting Rows and Columns Into the Database Table

• On the database table, you can find the “+” icon at both the column’s and row’s end.
• Tap on the “+” icon on the column end, and you can find an option to select the property type and label; choose the suitable option and a new column will be added. What’s unique about Notion database table is that you can have different properties as columns. This makes the table visually appealing and takes it to another level.
• Similarly, to add a row, look for the “ + ” or “ New ” label at the end; tap on it, and a new row will be added to the database.

3. Deleting Rows and Columns in the Database Table

• To delete a row or column, move the cursor to the end of the row or column that you wish to delete.
• Now, right-click on the row or column, and you can find the “Delete property” option.
• Click on Delete property, and the particular row and column will be deleted.

How Do You Insert a Table Inline in Notion?

Similar to a simple table and database table, open a Notion page, click on the “+” icon in the left-sidebar, and then select “Database – Inline” under the databases section.

This will add a database that you can set to a table view. This will add a database that you can configure as a table view. The difference between an inline table in Notion and a full database table is that an inline table allows you to add other content blocks to the page.

How To Turn a Simple Table Into a Database Table

We now know how to create a table or database on a Notion page. But, can you turn a simple table into a database? The answer is yes, and here’s how you can do it.

• Navigate to the simple table that you wish to turn into a database.
• Now, move the cursor on the simple table and you can find a three-dot menu at the top menu of the table; click on it.
• From all the options list, select the “Turn into Database” option from the list and your table will be converted into a database.

When To Use a Simple Table or a Database Table

When deciding whether to use a simple table or a database table in Notion, consider the below comparison table.

There are mainly two types of Notion tables; simple tables and database tables. You can easily add them by following the above steps.

Both types have different use cases, as the Simple Table is mainly used for presentation while the Database Table is used to organize your data.

Tables in Notion

There are two types of tables you can create in Notion:

Creating a Simple Inline Table in Notion

Creating a simple inline table in Notion is very straight-forward. An inline-table is one that is added to the currently selected Notion page. To create an inline table in Notion, do the following:

Open Notion to the page where you want to add the table.

Click in the body of the Notion page. Type “ /table ” and select “ Table – Inline ” from the contextual menu.

An empty inline table will appear on your Notion page.

Give your new table a name by clicking on the title text box and typing in the name of your new table as shown in the screenshot above.

Creating a Full-Page Table in Notion

In addition to inline tables, you can also create full-page tables. Full-page tables are tables that are created as subpages of the current page you are on in Notion.

To create a full-page table in Notion, do the following:

Open up Notion and navigate to the page that you want to add a full-page table to as a subpage.

Click in the body of the page and type “ /table “. Select “ Table – Full page ” from the contextual menu.

A new table will be created on a subpage of the page you were on. As you can see from the screenshot above, the table was created as subpage of the prior page.

Give you table a name by clicking on the title text box and typing it in.

Property Types in Notion Tables

When building tables in Notion, you create columns to hold your values. The data types of values are defined in Notion as property types. Each column in a Notion table is assigned a property type that defines the type of data the column can contain.

Enclosed below is a table containing all of the property types available in a Notion table:

Add Columns to Tables in Notion

By default, a table is created with three columns:

• Name (property type: Title)
• Tags (property type: Multi-Select)
• Files (property type: Files & media)

But what if you want to add a new column? Adding a new column to a table in Notion is easy.

To add a new column to a table in Notion, do the following:

Open Notion and navigate to the page containing your table.

In the last column to the right of the table, there will be a plus (+) button. Press the plus (+) button.

A menu will appear. Give you column a name in the text box and select the property type of the column from the menu.

For our example, I chose a Date property type and named the column “ Date “.

Your table will now contain your new column with its title and property type as shown in the screenshot above.

We have covered how to add new columns to a table but what if you want to change a column? Changing a column is very similar to creating a new one.

To change a column of a table in Notion, do the following:

Click on the column header. This will bring up the menu.

Click on the column header text box to change the title of the column. Select the property type you want the column to hold (in our example, we chose the URL property type and set the column title to “ Link “.)

Your column should now reflect your new column name and property type.

Moving Columns in Notion

The columns in a Notion table can be re-arranged in any order you choose. To move a column in Notion, do the following:

Click and hold on the header of the column you want to move.

Drag the column to the spot you want it to be and release the mouse button.

Your column will now be in the position you dragged it to.

Sorting Tables in Notion

Once you have a table full of data, you will likely want to sort it. There are two ways to access the sort functionality of a table:

• By clicking the “Sort” button at the top of the table
• By clicking on the header of the column you want to sort by

If you are doing a simple sort based solely on the values of a single column (like sorting by date as an example), simply click on the column header and select either “Sort Ascending” or “Sort Descending” from the menu.

If, however you want to sort on one column and then sub-sort on a second column, use the Sort button instead.

To setup a multi-column sort of a table in Notion, do the following:

Open up Notion to the table you want to sort.

Click on the “ Sort ” button above the table.

A menu pop-up will appear. Click on the “ + Add a sort ” button.

The sort criteria window will appear. Click on the column drop-down and select the column you want to sort on. Then select the sort type (in our case, “ Ascending “. This sorts the table by the due date in ascending order (i.e. earliest to latest).

Now, we will add our sub-sort (or secondary sort) by clicking on the “ +Add a sort ” button.

A second sort criteria is added. Click on the column drop-down and select the column you want to use for your secondary sort (in our case, I chose the “ Status ” column.

As you can see from the screenshot above, our table is now primarily sorted on due date. For entries that have the same due date, those dates are sorted on their status.

Filtering Tables in Notion

Sometimes you only want to see certain rows of your table. This is where filters come into play. Filters allow you to only see or exclude certain rows of table. Let’s create a simple filter to see how it works.

Let’s say I only want to see the tasks that are due on April 21st. We can create a filter to only show us those tasks.

To create a filter for a table in Notion, do the following:

Click on the “Filter” button to bring up the filter menu.

The filter menu will appear. Click on the “ + Add a filter ” button to bring up the filter criteria.

Select your filter criteria. In our case, we selected “ Due Date “, “ Is “, “ Exact date ” and April 21, 2020.

You should only see entries that match your filter criteria in your table.

To create a table in Notion, the first step is to create a new page in your workspace. There are several ways to do this, but one of the easiest ways is to click on the “New Page” button at the top of the left-hand sidebar. How to create tables in Notion

Organizing data is one of the most crucial aspects of businesses of all sizes. Be it a one-person business with a Notion portfolio or a large organization, the ease of processing data and generating insights from it determine how agile the company is and how smoothly it functions.

Notion tables simplify the storage and management of data. They offer flexibility, an excellent user experience, and the ability to collaborate with your team on projects.

Here are the 5 steps to creating tables in Notion:

1. Create a Notion table block

First, create a new Notion page or navigate to an existing one where you want to set up the table. Next, create a table block by typing ‘/’ and selecting Table from the list of Notion blocks.

For this example, we are creating a travel planner in a tabular format. So we have set the table name to Travel Planner .

And here is what it looks like:

It has a bunch of columns and rows to include all the details about the day-to-day activities. We will use this as an example to show all the steps for creating and using a table.

2. Add columns to the Notion table

The simplest way to add a column is by clicking on the ➕button at the rightmost point of the table.

If you want to insert a column to the left or right of another column, click on the 6 dots icon that shows up every time you hover over a column and select Insert Left or Insert Right depending on where you want to place it.

You can also use the same view to add color to the column, duplicate it, clear all content, or delete it. You can also rearrange your Notion table columns by clicking on the 6 dots icon and dragging the columns anywhere in the table.

3. Add rows to the table

To add a new row at the bottom of the table, click on the ➕button as visible in the image below. It will appear when you hover over the current last row for both full-screen and inline Notion tables.

If you intend to insert a row between two rows, click on the 6 dots icon towards the extreme left of the row and click on Insert Above or Insert Below depending on where you want to insert the row.

You can also use all other options that were available for columns. You can move rows around for consistency or setting up a cleaner Notion table format.

4. Set header rows and columns

This option lets you set a different color for the first row and column of your table. To activate it, click on Options at the top-right of your table can turn either or both toggles for the Header column and Header row .

5. Share your table

Notion allows you to share your tables, just like any other block. Click on Share at the top right of your screen and select the audience. You can share with individuals, your teamspaces, or with everyone on the internet by making the table public.

How many rows can a Notion table have?

There is no limit on the number of rows that your Notion table can have. You can include as many as you require.

How do I copy a table from Notion to excel?

Today, we’re pulling back the curtain on Notion table templates. If you ever tried creating one, they can be a real lifesaver or a head-scratcher, depending on how you build them. Whether you’re all about simple tables, you’re into complex databases, or you’re grappling with creating your own templates, this step-by-step guide is everything you need .

Notion table templates are basically pre-made layouts of tables or databases in Notion. Think of them as your go-to recipe when you need to whip up something fast. With these templates, any type of table can be duplicated and tailored to your distinct needs. They’re not just reusable as is but also serve as an excellent starting point for creating your own unique tables. The whole process of creating databases and managing data becomes easier with templates – so, no more starting from scratch every time you need one. 

2 Types of Notion Tables

Let’s start by understanding the different types of tables in Notion. There are 2 types – simple tables and databases. Each serves a unique purpose and function. I’ll break down what they are and the differences you should know about. Grab your notes and let’s get started!

Simple Tables

Notion’s simple tables are like old-school spreadsheets, but with reduced functionality. They offer a minimalist, user-friendly layout. They are ideal for something like your grocery list or daily tasks. Unlike their database counterparts, Notion simple tables don’t offer filtering, property creation, or advanced filtering . In my own use, I’ve found this to be both a blessing and a curse. It’s perfect when you need a clear, uncomplicated data layout. However, if you need customization, you might find the limitations frustrating.

Database Tables

Databases in Notion are the enhanced version of simple tables. If you’ve ever tried to organize a multi-faceted project, you’ll appreciate the power of these tables.

You can assign properties like text, numbers, and dates to individual entries, customizing different views based on filters and sorting . This personalizes your data management experience.

The real magic? You can create relational links to other databases, connecting data from two separate databases.

Should I Create A Simple Table Template Or A Database?

Torn between creating a simple table or a database in Notion? I remember when I first started using Notion, I faced the same predicament. Deciding the best format for my data seemed like a tough start. To help you break free from this confusion and make an informed choice, I’ll guide you through four decisive factors. These should assist you in tipping the scales one way or the other.

1. Complexity

Your choice between a simple table and a database in Notion primarily depends on the complexity of your needs. If your data is straightforward, a simple table should be good . This would mean few rows and columns, holding basic information. However, if you’re dealing with complex data, a database is the way to go . It can handle multiple properties and different data types like multi-select and formulas. It also layers data, providing a more detailed view.

2. Data Sorting & Filtering

The nature of your data usage also influences whether you should choose a simple table or a database. If your data is straightforward without a need for in-depth analysis or sorting, a simple table is perfect . If, on the other hand, you’re dealing with data requiring more sorting or filtering across multiple criteria, a database is a better option . Notion databases excel at finding and analyzing data.

3. calculations.

If your data requires calculations, yeah… you’ll need to consider using databases over simple tables . From my experience, a database is better suited for complex calculations due to its ability to handle formulas. However, if your data doesn’t require this, a table works. Remember, Notion’s table functionality is straightforward, while databases offer more advanced features for data manipulation.

4. Connecting Data Sources

And finally, if you’re working with data that needs to be interconnected between multiple tables , simple tables aren’t going to cut it. They’re standalone and don’t link to other data sources. If your data demands complex interactions, a Notion database is your best option. They’re fantastic when you need to connect data across tables, allowing for advanced analysis. So, if your data demands complex interactions, a database in Notion is your best bet. But remember, if it’s straightforward data, a simple table will do just fine.

How To Create Notion Table Templates

Now that you’ve mastered the difference between simple tables and databases, let’s get on with creating Notion table templates.

There are 2 distinct ways to create templates from tables. The first method is all about duplicating whole tables, while the second method zeroes in on templating individual items within a database table .

I’ll show you how you can do both effortlessly.

1. Creating Full Table Templates

Let’s start with our first approach: creating a complete table template through duplication. For our example, let’s say we’re making a monthly running plan. The goal is to create a template that can be copied and used to plan the following month’s running schedule.

Step 1: Choose Table Type

The first step is to choose the right kind of table in Notion, depending on your specific needs. For our running plan, a simple table is the most suitable as it’s straightforward to manage and ideal for setting up our running schedule.

Step 2: Enter Headers

The next step involves creating your headers in the Notion table. This is where you outline the structure of your table. At this stage, it’s just about creating a framework, so there’s no need to input any data yet. For our running plan, I’m including headers for each week and the day of the week. I’m also adding a bit of flair to make it visually engaging .

Your simple table template is almost done.

Step 3: Create a Template Folder

After you’ve set up your table template, head over to your Notion sidebar. Here, create a new page and label it ‘Templates’. This will serve as your template folder, a place to store all your duplicated table templates. A little tip: I add some extra characters to the name to ensure it always appears at the end of my page list.

Step 4: Place It In the Template Folder

Now, return to the table you’ve just created. Drag and drop it into the Templates ‘folder’ you’ve prepared. Your table template is now neatly organized and ready for use when needed. When it’s time to plan for the next month, all I have to do is duplicate my running plan template and input the schedule for the upcoming month.

2. Creating Item Template Within a Notion Database

Now let’s look at the second way of creating templates in Notion. Here, we’ll create templates for specific items within a database. Like before, I’ll create a workout plan . But this one will be more detailed. The workout plan will consist of several sets of repeating exercises. Let’s use database templates to make it easier.

Step 1: Create Database Table

Start with an existing database or create a new one. If you’re building one from scratch, start by making a new page. Then, from the block list, select ‘database’. From there, add properties tailored to your needs. In our example, I’m setting up the first set of the workout plan using a database. Each set consists of several exercises followed by a rest period.

Step 2: New Database Template

Now, it’s time to create your item template.

Hover over the right side of the blue New button located at the top right of any database. A drop down menu will appear. Click on ‘+ New template’. This is where the creativity starts. You’re all set to shape your database template. As the workouts will repeat in subsequent sets, I plan to create a template for each exercise. The goal is to pick exercises from a list, saving time by not recreating them every time.

Step 3: Customize Item Template

At this point, you can decide how your item template should appear. Create additional properties as needed. Don’t limit yourself to just properties, you can also insert content directly into the body of the page. Once you’re satisfied, simply close the template. Now, your custom template is ready for use. I’m making a template for the ‘Mountain Climbers’ exercise. I’ll include a ‘Notes’ property to jot down tips or reminders. In the body of the template, I’ll also incorporate a set of instructions. I’ll follow a similar process for the other exercises.

Step 4: Future Use

When it’s time to utilize the template you’ve just built, click on the dropdown menu to the right of the blue New button at the top right of your database.

Then, simply choose the template you created. This will generate an item of that type. For our workout plan, I’ll use the templates I’ve created to populate the remaining parts of my workout. I’ll continue this process until my three sets of workouts are complete. 

Limitations With Notion Table Templates

If you’ve attempted building your own table templates and thought, “This isn’t as smooth as I’d hoped”? You’re not alone. While handy, these templates have some tricky limitations. I’ve noted down my own struggles with template portability and general difficulties with templates below.

Can’t Create Tradition Templates Easily

Notion is great, it comes with loads of ready-to-use templates conveniently available in your sidebar. But there’s a hitch. When you make your own templates, you can’t save your templates there . I have tonnes of templates and this limitation makes my workspace messy. So I’ve come up with a hacky workaround (see ‘screenshot’ above). The trick is to create your own “template folder” where you can keep all your templates. It’s not as slick as having them in the template tab, but hey, it works. 

Database Templates Limited To Current Database

This is the biggest gripe I have with Notion database templates. Your beautifully made template in one database can’t be moved over to another one. This means that if you create a template within a database, it is restricted to that specific database. You can’t just duplicate it and move it to a different one. This limitation is so frustrating, especially if you’ve spent time creating an elaborate template that you need to reuse in another database. Keep that in mind when you’re setting up your databases. It’s one of those quirks we just have to work with.

HOW-TO: Delete a Notion Database Safely

Relations in templates.

The last little hiccup is preserving relations when duplicating templates. When you clone a page with a database that’s linked to another database (1) , you don’t get a fresh copy of the related databases. You’re stuck with references to the original ones. Yes, it’s a minor gripe but it still takes time out of your day. But it’s not all doom and gloom. You can manually set up the necessary relations once you’ve made a new instance from your template. A tad more work, but it gets the job done.

I’ve covered quite a bit of ground today on the ins and outs of building Notion table templates. We saw how you can create your own templates using the duplication method and how to template individual items within a database. We also took a peek into some limitations that come with the territory. But like everything else, once you get the hang of it, it’s just a piece of cake. Keep playing around, and don’t let the quirks stop you from creating some fantastic templates for your workspace.

How to use Notion tables optimally and effectively

With database applications such as Notion, Airtable, Coda, … the demand for tables is growing. Notion tables are provided to create and manage data in all of their applications including mobile devices.

Here I have two ways to create a table with Notion.

The first is inline creation. It allows you to create tables to the page that you already have. This is for those who want to embed references or create elements without disturbing other parts like the Kanban Notion table.

Create inline tables in Notion

Step 1: Start by pressing “/” to bring up a small window to create new blocks

Step 2: Select “Table: inline”

Step 3: Create a title for the new board view

Step 4: Create columns and rows and set this up according to your needs

Create full page Notion tables

If you want to create a table-oriented page with no external elements, and don’t want to add more than one table, the best alternative to creating inline Noiton tables is the classic full-page view.

To be able to create it, we do the following:

Step 1: Start by pressing “/” to open a small window to create new blocks as above.

Step 2: Select “Table: Full Page” – you can use search to speed up this search

Step 3: Create a title for the new table view.

Once tables have been created, whether full page tables or inline tables, they are functioning as other components in the application. We can create more tools to upgrade the table.

After creating a column, you can choose various media such as text, numbers, dates, … to add to the column rows. Due to different storage needs, we choose a different media type for each column to add data. When you’re done with the columns, you’ll add the row just like Google Sheets or Microsoft Excel import data. Furthermore, you can create additional rows as a page without affecting the table or turning the current row into a larger page or tag.

When you create a row with page data, you can still add information to that row from “Open” mode. It basically looks like a breadcrumb, acts like a new page, you can add link, block, calendar, title, photo, … Here’s how Notion gives you a dark workspace. advantages and flexibility. From these modes, you can share data or export files as MDKs, PDFs, or view updates if you are working in a group. Notions do this very effectively.

How do I start using Notion tables?

To create your first table in Notion, start with the ideas you want.

For example:

Training schedule

Homework at school and at home

Targets and milestones in the coming time

List of goods, source of goods

Schedule to Video, Blog, …

Calendar of activities, editorial …

Understanding the idea and successfully building columns will help your upcoming project be more optimized. Notion supports user panels similar to Google Sheets or Microsoft Excel .. Not only that, this version is even more advanced.

What are the limitations of the table?

Noiton tables will be converted to another view without destroying the contents of the table. You can convert lists in tables to Calendar or another format without spending too much time and complicated manipulation.

Tables will get messy if added as a single block, they won’t be perfect when viewed in inline mode. The creation of inline tables will cut out a lot of modes when the car collapses into a smaller space. This may be an application error.

A table might be a very simple way to organize data, especially now when there are so many options to choose from. But sometimes, simple is all you need. But if you use Notion, you’d know that keeping things simple wasn’t an option before.

It isn’t that Notion didn’t have anything to organize data in a structured way till now. The case is quite the opposite, to be honest. It didn’t have anything as simple as a table. You could always turn to a database to organize your data, though. But databases can be overly complicated sometimes; hence, the need for a table.

What is a Table in Notion?

Notion has finally delivered this simple feature upon request from users! A table keeps things really simple: you can organize data in rows and columns or have header rows and columns to highlight data. But that’s about it. You can navigate the table using the tab key.

You can also include tables side-by-side with other blocks when you need to provide more context about the data inside the table. Since simple tables only store text and not any other data types like databases, Notion’s collaboration tools like inline comments still work. You can comment and mention other team members, and even have full-fledged discussions right there.

The simple table will appear different from database tables when creating a block, which now have the word “database” in their name along with “table”. At any point, if you feel like your data need the bells and whistles of a database, you can convert the table into a database. It’s as simple as that.

Creating a Table

To create a table, use the / command. Type /table and select the first suggestion from the blocks.

A 2×3 table will be created. To add more rows and columns, drag the bottom-right corner of the table outward diagonally.

To add just columns, drag outward to the right and drag towards the bottom to add just more rows.

You can also click the ‘+’ icons that appear at the bottom, right, and the bottom-right corner to add a row, column, or both one at a time.

To make a column or row header, click ‘Options’.

Then, enable the toggle for ‘Header Column’ or ‘Header Row’ or both depending on your requirement. Header columns and rows have darker shading in the background and bolder letters to highlight them from simple columns and rows.

There’s also an option to fit the table to the page width. The option is especially useful when you add another column to the table. Clicking the option resets the width of the entire table and you won’t have one odd-looking column separate from the rest of them. To fit the table to the page, click the two arrows pointing away from each other.

You can also insert columns or rows in the middle of an existing table. To insert a row, go to the first cell of the row where you want to insert the new row. Then, click the ‘row handle’ icon (6 dots).

Then, select ‘Insert above’ or ‘Insert below’ from the menu.

To insert a column, go to the first cell of the column to whose left or right you want to insert the new column. Click the ‘column handle’ (6 dots).

Then, select ‘Insert left’ or ‘Insert right’ from the menu.

You can also delete entire rows or columns. Go to the row or column you want to delete and click its handle. Then, click ‘Delete’ from the menu.

At any point, if you feel like you need the additional functionality of a database to accurately represent the information, you can simply convert to a database. To convert a table into a database, click the ‘table handle’ (six dots) to the left of the table.

Then, click the ‘Turn into database’ option from the menu that opens.

That’s all there is to know about tables in Notion. We weren’t lying when we said that tables keep things simple.
