How to time a Keynote Presentation to a music soundtrack

I often do weddings and funerals, and as part of the wedding or funeral people like a Keynote slideshow with 10-20 photos set to some background music.  The problem is there may be other slides that need to come before or after it without background music. The easiest way to achieve this is to make a ‘movie’ of the slides (with a soundtrack) and then re-import this movie into a Keynote as a single slide. Here’s how to export a Keynote slideshow with a soundtrack.

The Problem.

If you are trying to make a keynote presentation that is timed to music, it’s hard because in Keynote you can only add music to a single slide , or to a whole presentation . If you add music to a single slide, it stops when you advance to the next slide. If you add music to an entire slideshow, it starts when the keynote starts, which may not be what you want.  In my case I want the music to begin well into the Keynote presentation, and then to play for 20 or so slides, but not for the whole presentation.

The Solution.

Make a quicktime movie of the slides that you want the soundtrack to and then re-import this movie into a Keynote as a single slide. It will appear as 1 slide but that slde will be a movie of several slides with a soundtrack.

Here’s how to do it step by step.

How to Record a Presentation in Apple Keynote

1. Make a new keynote file with the pictures in it that you want the music to play for.

2. Add an audio file from iTunes to the Keynote file as a ‘soundtrack’. Do not drag the audio file onto the slide or it will only play for the slide.  make sure you go to the Inspector Window, select ‘document’ Go to the ‘Audio Tab’ and add a ‘Soundtrack’.

3. Turn down the recording volume level.

Go to Apple menu > System Preferences > Sound > Input and move the ‘Input volume’ slider volume to the left so that it does not record any sound while you are recording.

This is because the ‘Record Slideshow’ Is expecting you to do a “voice-over” on top of your keynote and it will record this voiceover. But  in this case we do not want a voice-over,  we just want the soundtrack that we added in step two. There  is no way to stop Keynote from recording a “voice-over” so the next best thing is to turn the input volume to zero  so that the “voice-over” is silent.

4. From the ‘play’ menu choose ‘Record Slideshow’.

5. With Keynote 7 and later you then need to press this Red ‘record’ button on the bottom left of the presenter display.

Now you can manually advance the slides (using the right arrow key) in time with the music. Press the Red button again to stop the recording.   Keynote will record  the time that you advance each slide.

You may wish to play back the presentation and check the timings are correct.

6. Export the entire keynote as a Quicktime movie. (File menu: Export To: Quicktime…) Under the options choose’ Playback Uses: Recorded Timing’. Also choose ‘Include the slideshow soundtrack’ and  ‘Full Quality, Large’.

7. You now have a stand alone movie of the images with a soundtrack. You can drag this movie into a new Keynote and play it at any point in the slideshow.

NOTE: There is a bug in some versions of keynote that means the audio will cut off after 30 seconds. If this is happening for you there is a simple fix:

Go to “File” then “Advanced” and “Change File Type” and set it to “Package”

Very illustrative. It complies with the promise to take the viewer step by step except when exporting to quicktime that I had to find a tutorial on how to do it but without this I still would be lost.’Thank you!

Why my sound track stops in between? After recording when I export to QT using Recorded time, and play the exported mov, slide keep on run as it should run but sound stops only after 7-8 seconds for each slide?

How do I undo a timed keynote presentation so that I can make it change manually?

Have a look at step 3 above. Instead of ‘Record Slideshow’ you choose ‘Clear Recording’ and it will change manually again.

After you have imported the QuickTime movie, say with a timed narration, can you then add a second audio track with music? Could you, say, play that music to be sensitive to what is happening in the movie?

You could do that in iMovie or in Quicktime Player Pro.

What do I do if my Sound and Movie export seperatly?

Thanks Wayne, great stuff. Wondering if there is a way to do a larger Quicktime movie, larger than 1024×768. Right now I’m on a Macbook Pro retina display and when I export the movie my images all look compressed compared to the rest of my slideshow, which is all at full retina display size. In other words, they don’t look as sharp and crisp as they did in the Keynote presentation before I recorded the slideshow and exported it.

not that I know of built in. You could try a screen video capture program like snapzpro.

I completed my keynote presentation and added music for the whole presentation. However the moment the presentation ends, the slide stops abruptly and subsequently disappears and shows and shows a blank screen. I want to presentation to stop at the end slide and not disappear. Appreciate if you can guide me achieving my need to complete the presentation without any hiccups to abrupt stoppage. Thank you.

It’s obviously a basic flaw in Keynote – as it is in PowerPoint – that there’s no easy and simple way to time slides to prerecorded sound, which is the most obvious and intuitive way to combine audio and visuals. Sound usuallly has to be continuous, slides are by their very nature not. The most reasonable way would be to start the sound and click slides in and out along the way. And then, of course, it should be possible to adjust time codes afterwards.

Yes all it would need to have is an option so that if you put a sound on a slide, you could choose a tick box for that sound to ‘keep playing’ after you exit the slide. Then you could have a sound that played over multiple slides. It is such a simple feature that is missing.

I thought I’d found the perfect answer to my searching the internet to find out how to play music in a keynote presentation with timed slide transitions. I can do this perfectly well in PowerPoint, but only have a Mac to play the presentation on. But when I try ‘record presentation’, it doesn’t play the audio file, so I can’t hear when to advance the slides. Aaaargh!

Hi Kate. There is a little red button that you need to press in Keynote 7 after you press ‘Record Slideshow’. I just checked the Apple documentation and there is no instructions about this. I have just updated the article to reflect this. Sorry about that but I wrote this article with an older version of Keynote. I have also upgraded the article it with some newer screenshots for you.

I have added music to each of my slides. I can trim the length of each music extract but would like to fade-out each extract while the slide continues to show rather than cut the extract abruptly. How can I do this, please?

I’d say the best way would be to edit the music track in another piece of software (e.g. Audacity) and put a fade onto it, then export the new music file (with the fade in it) and put it into the keynote.

More helpful hints using audacity. If you want certain sounds from a longer piece of music to match a certain slide, you can use Audacity to add sound clips exactly. In Audacity you can add exact seconds of silence between parts of a sound recording. Make one at the beginning and copy it. Decide where you want to separate the original sound into parts. At each break, press paste. A silent space will insert at that point. Go to File Export and name it. Now, save the work you did a new name. Save to a known location such as desktop. Open the new file and don’t save the original unless you want it to have all the stuff you added. Remember, the one you worked on is the original. Just save it to a new name and then don’t save the original. Now you have a sound file that could be drawn like this –||||||–||||||–||||||–||||||–||||||–||||||–||||||–||||||- Select the 1st part at the last half of the into to the 1st part of the outro: -||||||- Cut it. (Command x) Make a new file, Command n and paste Command v, Export as Part 1. If you want to use a fade, you select the part you want to fade and select fade in. Select the ending and select Fade out. Go back to your large sound file. Cut off the second bite (it is now the first bite) and make a new file and paste it in. Fade as you wish. Export as Part 2. Repeat for all the parts you want as clips. In Keynote, Open your slideshow. Open the location in Finder where you have your clips. Drag each file on to the slide you wish. You can set – in animation – if the sound plays automatically or on a click. Another trick with Audacity is to add silence at the beginning of a piece that you put in as background audio. Your presentation can have introductory material that takes a known amount of time before the background starts. Just add that many seconds of silence to your sound before saving it to your presentation. Good luck!

The later version of Keynote has a few interface differences that you may want to update for convenience and accuracy. For example, in Step 6, the export to Movie has replaced export to QuickTime, with some controls no longer available.

One question: after following your instructions, while stepping through the slide show, when I click to display the initial slide of the series for which I have added the time-sequenced soundtrack, I have to click the initial slide a second time in order to have the soundtrack begin. This has the feel of a setting that I’ve overlooked. If you know how to “repair” this, I’d be grateful.

I am having the problem that when I export the file, the soundtrack is not playing in the quicktime file. It is as if the exported show is just the screens cycling in the order I clicked them. Are there any suggestions for this?

Control audio playback in Keynote presentations

If you place an audio file onto a slide in Keynote, it will appear as a 53×53 pixel version of the OS X menu bar’s Sound icon. Assuming you don’t change the audio settings for the placed audio file, the audio file will start to play when you reach that slide when you give your presentation. But what if you want more control over the audio playback, much like what you get with movie files, which appear with a position slider, playback and volume controls? It turns out you can get those same controls on your audio files as well.

All you need to do is make the placed audio icon larger, then move your mouse into that larger region while in presentation playback mode. (The controller is not visible while editing your presentation.)

As the size of the audio icon increases, you’ll see more and more control options when you hover over the region in presentation mode. Once you reach 400 pixels in size, you’ll see all the same controller features you get with a QuickTime movie:

Note that when you’re in edit mode, you’ll see an increasingly-large version of the Sound icon as you increase its size. As with the standard-sized icon, though, this icon will not appear in presentation mode. To access the audio playback controls while in presentation mode, just move your mouse into the region of the large icon, and the controller will appear.

I’m not sure how often I’ll need this feature, but it’s nice to know it is possible to get audio playback controls with placed audio files in Keynote—thanks to Mac OS X Hints reader s.chrisotph for pointing this one out.

How to add background music or a soundtrack in your Keynote presentations

If you’re using Keynote to create a presentation, there are all sorts of reasons you may want to include background music.

You might be introducing a new product and want something upbeat and dynamic. You may be making a slideshow for an event and want a meaningful song. Or, you might be creating a presentation for a charity and want to make a bold statement.

Whatever the case may be, it’s easy to add background music or a soundtrack in Keynote, and here’s how.

When creating a slideshow that you want to add music to in Keynote on your Mac, make sure that you have the audio file that you want to use, that it’s in MPEG-4 file format (.M4A) and that it’s not DRM protected (you’ll receive an error that you cannot use a protected file if you try). If you don’t have that, you can use a site like CloudConvert to convert MP3 files to M4A.

Also, note that you’ll be using the Soundtrack feature. This will play the audio file from the beginning of your presentation.

1) Click the Document button on the top right of the Keynote window.

2) Select the Audio tab.

3) Below Soundtrack , click the plus sign button.

4) Browse or search for the audio file in the Music app that you want to use and select it. You can also just drag the M4A file on the tiny Soundtrack box.

5) You’ll see that file pop into the Soundtrack area in the sidebar, and you can add another if you like.

You can adjust the soundtrack to Off, Play Once, or Loop with Play Once chosen by default.

Now play your slideshow from the beginning, and you’ll hear your tune.

If you don’t want the music to play throughout your entire presentation and want it for one slide only, this is easy too.

1) Go to the slide where you want the audio.

2) Click Media > Music from the Keynote toolbar. Alternatively, if you have the folder open containing the audio file, you can drag it onto the slide.

3) Select the file or drag it to the spot on the slide where you want it.

4) The file will display as a round play button that you can click to play and pause. To move it, just select, drag, and drop.

5) Click the Format button on the top right to make adjustments to the audio, such as trimming, repeating, or starting on click.

Add background music to a presentation on iPhone and iPad

If you’re working with Keynote on your iPhone or iPad, you can add background music there as well. And the same rules apply as on Mac as far as file type and protected files. That means you can’t use a song downloaded as part of your Apple Music subscription, as those are DRM protected.

1) Open your presentation and tap the More   button (three-dot icon) on the top.

2) Select Presentation Options > Soundtrack and tap Choose Audio .

3) Choose your audio file and then pick Off, Play Once, or Loop. You can add another file if you like, or just tap Done .

That’s it! Now play your slideshow, and you’ll hear that musical background you selected.

3) Choose either Photo or Video or Insert from , depending on the type and location of the file.

4) Select the file, and it will display as a round play button that you can click to play and pause. To move it, just tap, drag, and drop.

Add or delete audio in your PowerPoint presentation

You can add audio, such as music, narration, or sound bites, to your PowerPoint presentation. To record and hear any audio, your computer must be equipped with a sound card, microphone, and speakers.

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

Add audio from your PC

Select  Insert  >  Audio .

Select  Audio on My PC .

In the  Insert Audio  dialog box, select the audio file you want to add.

Select Insert .

Record audio

Select Insert > Audio .

Select Record Audio .

Type in a name for your audio file, select Record , and then speak.

Note:  Your device must have a microphone enabled in order to record audio.

To review your recording, select Stop and then select Play .

Select Record to re-record your clip, or select OK if you're satisfied.

To move your clip, select and drag the audio icon to where you want it on the slide.

If you’re using more than one audio file per slide, we recommend putting the audio icon in the same spot on a slide to find it easily.

Select the audio clip icon on the slide. 

On the ribbon, on the Playback tab, select the Hide During Show check box.

Use this option only if you set the audio clip to play automatically. Note that, in Normal view, the audio icon is always visible unless you drag it off the slide.

Select the audio icon and then select the Playback tab. Then select which options you'd like to use:

To trim the audio, select Trim and then use the red and green sliders to trim the audio file accordingly.

To fade in or fade out audio, change the number in the Fade Duration boxes.

To adjust volume, select Volume and select the setting you prefer.

To choose how the audio file starts, select the dropdown arrow next to Start, then select an option:

In Click Sequence : Plays the audio file automatically with a click.

Automatically : Plays automatically once you advance to the slide that the audio file is on.

When Clicked On : Plays audio only when the icon is clicked on.

To choose how the audio plays in your presentation, select an option:

Play Across Slides : Plays one audio file across all slides.

Loop until Stopped : Plays an audio file on loop until it’s stopped manually by clicking the Play/Pause button.

To have the audio play continuously across all slides in the background, select Play in Background .

Delete audio

To delete an audio clip, select the audio icon on the slide and press Delete.

To add music or other audio clip to your slide show, select the slide you want and click Insert > Audio . You can add audio to a single slide, play audio automatically when a slide appears, or add a song that plays as background music during your entire presentation.

You can add your own narration or commentary to an entire presentation by recording it on the Slide Show tab. See Record your slide show for more information.

In Normal view, select the slide you want and click Insert > Audio .

Click Audio Browser to insert audio from iTunes, or Audio from File to insert an audio clip from your computer.

Select the audio clip. On the Audio Format tab, select the audio options you want.

(Optional) If you want to change or modify the standard audio file icon, use the picture format buttons on the Audio Format tab to add a frame, border, or other formatting effect to the audio icon.

On the slide, select the audio icon, and then click Play/Pause beneath the audio icon.

Play audio automatically when a slide appears

By default, during a slide show, audio plays when it is clicked. You can change it so that the audio plays automatically as soon as its slide appears.

In Normal view, select the slide you want and add an audio clip if you haven't already done so.

On the Audio Format tab, on the right, click Start > Automatically .

In Normal view, select the first slide in your presentation and add an audio clip if you haven't already done so.

On the Audio Format tab, on the right, click Loop Until Stopped .

(Used alone, this option means the looping sound lasts while the slide it resides on is being shown. When Loop Until Stopped is used in tandem with Play Across Slides , the looping sound continues throughout the presentation.)

On the PowerPoint ribbon, on the Playback tab, select the Hide During Show check box.

Maximum size of the audio file: 16 MB

Add audio from your computer

On the Insert tab, near the right end, select Audio .

In the file explorer, browse to the audio file you want to use, then select Open .

Select the audio icon and then select the Audio tab or Playback tab. Then select which options you'd like to use:

To choose how the audio file starts, select the Start  dropdown arrow and select an option:

Automatically : During a slide show, the audio plays automatically once you advance to the slide that the audio file is on.

When Clicked On : During a slide show, the audio plays only when the icon is clicked.

To choose how the audio plays in your presentation, select one or more options under Audio Options :

Hide During Show : If you've set the audio clip to play automatically, you can hide the audio icon during the show, because you won't need to click it at any time. 

Rewind after Playing : Use this option if you need to play an audio clip more than once while you are still presenting the same slide that contains that audio clip.

Whether the sound file is on the slide or in Soundtrack, click once to select, then press the backspace key on the keyboard.

Now with Recall, you can access virtually what you have seen or done on your PC in a way that feels like having photographic memory. Copilot+ PCs organize information like we do – based on relationships and associations unique to each of our individual experiences. This helps you remember things you may have forgotten so you can find what you’re looking for quickly and intuitively by simply using the cues you remember. [7]

You can scroll across time to find the content you need in your timeline across any application, website, document, or more. Interact intuitively using snapshots with screenray to help you take the next step using suggested actions based on object recognition. And get back to where you were, whether to a specific email in Outlook or the right chat in Teams.

Recall leverages your personal semantic index, built and stored entirely on your device. Your snapshots are yours; they stay locally on your PC. You can delete individual snapshots, adjust and delete ranges of time in Settings, or pause at any point right from the icon in the System Tray on your Taskbar. You can also filter apps and websites from ever being saved. You are always in control with privacy you can trust.

iOS 18 Rumor Recap: Over 20 New Features to Expect as WWDC Nears

iOS 18 is just around the corner, with Apple set to unveil the software update during its WWDC keynote next month. Below, we recap new features and changes rumored for iOS 18, which is projected to be the "biggest" update in the iPhone's history .

iOS 18 WWDC 24 Feature 2

WWDC 2024 will begin with Apple's keynote on June 10 at 10 a.m. Pacific Time , and the iOS 18 beta should be made available to members of the Apple Developer Program immediately following the presentation. A public beta is typically released in July, and the update should be widely released to all users in September.

Smarter Siri and Generative AI

iOS 18 Mock Siri Feature Baubles

Apple CEO Tim Cook has repeatedly teased that the company is working on generative AI, and plans to share details "later this year," and Apple's marketing chief Greg Joswiak also hinted at AI in a social media post about WWDC 2024.

Generative AI surged in popularity in late 2022, when OpenAI released ChatGPT, a chatbot that can respond to questions and other text prompts. The company has also expanded into generative AI tools for images and videos. Other companies like Google and Microsoft have also pushed into the generative AI space, and the technology is quickly evolving.

iOS 18 is not expected to include an Apple-designed chatbot , but a partnership with OpenAI will reportedly be announced at WWDC.

More Customizable Home Screen

MacRumors exclusively reported that iOS 18 will finally allow users to place app icons anywhere on the Home Screen grid . This means that users will be able to create blank spaces, columns, and rows between app icons. This basic feature has long been available on Android smartphones, and now Apple is bringing it to the iPhone.

iPhone users can already customize the Home Screen with apps such as Shortcuts and Widgetsmith, which can be used to create "blank" app icons and widgets, but Apple's official solution will be much more convenient.

It was also reported that iOS 18 will allow users to change the color of app icons .

New Accessibility Features

Some of the new features coming to the iPhone include Eye Tracking , Vehicle Motion Cues , Music Haptics, and Vocal Shortcuts. CarPlay will also be getting more accessibility features with iOS 18, including Sound Recognition, which will allow drivers or passengers who are deaf or hard of hearing to turn on alerts to be notified of car horns and sirens.

New Apple Maps Features

With the custom routes feature, Apple Maps users would be able to choose specific roads to travel on while navigating, for reasons such as familiarity or scenic views. This feature is expected to be available in the U.S. only at launch. Google Maps already allows users to create custom routes on the web, and then view them on an iPhone.

Topographic maps first debuted on the Apple Watch last year with watchOS 10, and code suggests that the feature will be expanded to the iPhone, Mac, and Vision Pro with iOS 18, macOS 15, and visionOS 2. These maps include details such as trails, contour lines, elevation, and points of interest for hiking and other outdoor uses.

RCS Support in Messages App

General Apps Messages

RCS support should result in the following improvements to the default messaging experience between iPhones and Android devices:

  • Higher-resolution photos and videos
  • Audio messages
  • Typing indicators
  • Read receipts
  • Wi-Fi messaging
  • Improved group chats, including the ability for iPhone users to leave a conversation that includes Android users

These features are already available for iMessage and in many third-party messaging apps, such as WhatsApp and Telegram. RCS support on the iPhone will extend the features to green bubbles in the Messages app.

More Rumors Per App

  • Apple Music: With iOS 18, Apple Music will reportedly be able to auto-generate playlists , and there is also a rumor about smarter song transitions .
  • Calculator: iOS 18, iPadOS 18, and macOS 15 are rumored to feature a revamped Calculator app with several new features , including a sidebar that lists recent calculations, an improved interface for converting units, integration with the Notes app, and more. That means the Calculator app will finally be available on iPads .
  • Calendar: Two apps rumored to be integrated on iOS 18 are Calendar and Reminders . This would allow users to schedule and organize reminders directly within the Calendars app, without needing to open the Reminders app.
  • Freeform: iOS 18 is rumored to add a new "Scenes" option to Apple's drawing app Freeform . This feature would allow users to select specific sections ("scenes") on the canvas for easier navigation.
  • Health: Apple is reportedly planning new AI-powered features for its Health app , but no specific details are known yet.
  • Keynote, Numbers, and Pages: Alongside iOS 18, Apple reportedly plans to update its iWork suite of productivity apps with new generative AI features for auto-generating slides in Keynote, writing faster in Pages, and more .
  • Mail, Photos, and Fitness: These apps will reportedly be "overhauled" with iOS 18 . AI-powered photo retouching is reportedly coming to the Photos app with iOS 18, and the Mail app could gain suggested replies to emails , but no other specific details are known yet for these apps.
  • Messages: In addition to RCS support , it has been rumored that the Messages app will use generative AI to auto-complete sentences more effectively, and to auto-generate custom emojis for users based on the content of messages.
  • Notes and Voice Memos: With iOS 18, the Notes app is expected to be able to display mathematical notation , allowing users to include more types of algebraic equations and formulas in notes. The app is also rumored to gain a built-in audio recording tool, eliminating the need to switch over to the Voice Memos app. In addition, both Notes and Voice Memos could gain the ability to transcribe audio .
  • Safari: iOS 18 is likely to add a browsing assistant to Safari , which could summarize web pages and more . A new "Web Eraser" feature that would allow users to remove certain elements from web pages has also been rumored.
  • Shortcuts: With iOS 18, users will reportedly be able to automate complex tasks more easily with the Shortcuts app.

While they are not dedicated apps, it has also been rumored that generative AI technology will allow the iPhone's virtual assistant Siri and built-in search tool Spotlight to respond to more complex questions and search queries .

Delete a Keynote presentation on iPad

Important: If you turned on iCloud Drive for Keynote (in Settings on your iPhone or iPad), deleting a presentation from iCloud Drive removes it from iCloud and from all other devices and Mac computers that use the same Apple ID .

Touch and hold the presentation thumbnail, lift your finger, then tap Delete.

To delete a presentation shared with you by someone else (so that it can no longer be recovered), tap Delete Now.

If you don’t see the presentation you want to delete, try searching for it, or tap Browse or Recents at the bottom of the screen. See Find a Keynote presentation on iPad .

Recover a recently deleted presentation

You may be able to recover a recently deleted presentation or folder (including its contents).

Tap the link in the top-left corner to see the Locations list (you may have to tap more than once).

In the Locations list, tap Recently Deleted.

Do any of the following:

Recover one or more items: Tap Select in the upper-right corner, tap one or more presentations, then tap Recover at the bottom of the screen.

To recover only one item, you can also touch and hold the name, lift your finger, then tap Recover in the menu that appears.

Get information about a recently deleted item: Touch and hold the name of the presentation or folder, lift your finger, then tap Info in the menu that appears.

If you don’t see the presentation you want to recover, try searching for it, or tap Browse or Recents at the bottom of the screen. See Find a Keynote presentation on iPad .

Note: When you delete a presentation that was shared with you, it’s deleted immediately from your device and can’t be recovered from Recently Deleted. If you later need to see the presentation again, tap the link you received in the original invitation or ask the owner to send another.
