A sales funnel is a marketing term used to capture and describe the journey that potential customers go through, from prospecting to purchase. A sales funnel consists of several steps, the actual number of which varies with each company’s sales model.

Well-built sales funnels without gaps allow companies to shepherd potential customers through the buying process towards purchase completion. By contrast, those funnels with gaps will lead to potential customers dropping out of the sales process , like water flowing through a sieve.

A sales funnel helps marketers understand a customer’s purchasing journey, while also identifying what stage of this journey the customer is at. These insights can be used to decide which marketing channels and activities will best guide the customer towards a purchase. A sales funnel also allows marketers to tailor and optimise their activities and messaging to increase conversions.

So, how does a sales funnel work?

As the name suggests, a sales funnel takes in a large number of leads and prospects and narrows them down towards the bottom, giving you a smaller number of paying customers. While the specifics of the sales funnel differ from industry to industry—in fact, even from company to company—we can understand how it works with a simple example:

Let’s look at the B2C sales funnel for an e-commerce website. A potential customer for the site will start their journey as a visitor: someone who might visit the site by clicking on a Google search result, social media post, or advert. When they visit and browse through the website, they might (and should) be offered a chance to sign up for the e-commerce site’s email list. If they do, they become a lead. Depending on the contact details they share, they can be engaged through various channels such as email, text, and phone. Their interaction with these marketing campaigns is likely to nudge them to return to the e-commerce website to browse relevant products or special offers, turning them into a prospect. From prospect to customer is then a matter of incentivising them enough with product offerings, messaging, or even a simple coupon code.

The 6 stages in a sales funnel

Again, it’s important to note that not all companies’ sales funnels will have six levels or stages. Sales funnels vary in size and shape from company to company and industry to industry. However, a basic sales funnel can be described as consisting of six levels. Marketers can take inspiration from this basic structure to design a sales funnel that suits the needs of their organisation.

1. Awareness : At the very top of the sales funnel is the awareness stage that is populated by the largest number of people. These people, not quite ready to be prospects yet, have just had their first interactions with your company and its offerings. They don’t know much about your brand at this stage, but are aware that it exists.

2. Interest : The first interactions will hook some of these newly-aware people and draw them slightly deeper into the funnel. With their interest piqued, these people will spend some time getting to know more about your company and your offerings. They might browse your website or catalogue, read your blogs, or peruse reviews from past customers.

3. Evaluation : Armed with knowledge gathered during the interest stage, your prospects will double down on their efforts to know your company and offerings better. They may reach out to your customer service team with specific questions, or fill out a form to access more information. Remember, by this stage they may have already compared your offerings to those of your competitors. So, it is important to clearly answer their questions and help them understand how your offerings can solve their problems or needs.

4. Negotiation and decision : The prospect has now almost decided to purchase your product or service. Depending on the nature of your offerings, they might begin a negotiation over the price, terms of purchase, or both. But it’s fair to assume that they have a purchase intention at this stage.

5. Sale : We’ve reached the bottom third of the sales funnel—the prospect and seller have negotiated the terms of the sale to their mutual satisfaction, and the prospect pays the seller to officially become a buyer.

6. Renewal or repurchase : The sale stage is not the end of the sales funnel. Soon a time will come when the sales contract is up for renewal. The customer must now decide if they want to continue with the same seller. If so, there might be a fresh round of negotiations over price and purchase terms, followed by a renewal or repurchase.

Imagine a sales funnel for a company that manufactures, markets, and sells stylish furniture online. So, the company runs a series of Instagram ads using compelling content targeted at potential audiences aged between 30 and 40 years. The Instagram ads route users to the company’s landing page, where a pop up encourages them to sign up for the company’s newsletter to receive tips, updates, and, crucially, offers. The people that sign up have now become leads.

Over the next few weeks, these leads are sent content that informs and educates them about the company’s furniture designs and quality. The intent is to inspire them to think about how they can redesign their personal spaces with this company’s furniture.

At the end of the email campaign, the company sends these leads a discount coupon. Primed with ideas for their spaces, the discount coupon helps push the leads towards an actual purchase. After the purchase, the company doesn’t forget about these buyers. They become recipients of yet another email campaign with the same goals but different content.

And there you have it—a sales funnel. At the top, social media users were made aware of the company and its offerings and drawn into the funnel. Their interest was piqued, they evaluated the offerings, and decided to purchase the product. Hopefully, they will renew their relationship with the company by repurchasing in the future.

How to Design Better Sales Funnels

Buyers “purchase journeys” are rarely linear. In the current omnichannel landscape they connect with a brand through multiple touch points on their way to conversion – a purchase, an inquiry, a booking or another meaningful action.

What’s more important though is that 79% of marketing leads never convert to purchases . And 96% of website visitors are not ready to make a purchase right here and right now. Most of those prospects need a little more “encouragement”, or more precisely – nurturing. That’s where a sales funnel (sometimes called a sales pipeline) comes into play.

Exactly What is a Sales Funnel?

Put simply, a sales funnel is a process through which companies lead their targeted customers to a purchase.

The visual depiction of a funnel is the best way to describe this process – many potential customers enter at the top of the funnel, and that number decreases as they are moved through the sales process. In the end, only a percentage of those who entered the funnel will be actual customers who make a purchase. As a visual, a typical sales funnel will look something like this:

At the top of the funnel is a relatively large opening because it represents all visitors/prospects who become aware of a business and decide to “take a look.” At the bottom of the conversion funnel, a much smaller space, are those prospects who have become paying customers.

At its basic level, there are several key sales funnel stages, varying depending on your business type and lead generation process:

Awareness, Consideration, Interest, Action

That’s how a customer funnel used by online or brick and mortar retailers will look. Shoppers first become aware of a product and decide to check it out – research the specs, browse on-site reviews etc.

If that customer likes what he sees, he will then consider it along with similar products offered by the competition. At this point, your sales team should help that customer decide and move him from consideration to interest in his specific product. For instance, pitch a helpful guide or another content marketing asset, re-target him with social media ads or send out an email reminder/coupon code/special deal, and so on. The ultimate goal is to design a streamlined process for moving the prospect toward  engagement  or buying the product.

Attract, Engage, Nurture, Sell

This might be a funnel template for a B2C retailer but also for a B2B company a well. Marketers take certain steps to attract prospects, engage them in conversation, keep nurturing a relationship until a sale is achieved. Again, it is important to identify specific actions for each stage that would be documented as your sales funnel strategy.

Prospects, Leads, Proposal, Sales

B2B marketing and sales teams will often identify their process in this manner. They begin with a campaign to locate prospects and the turn them into leads through a series of communication steps. The conversion goal is to get that lead to agree to accept a proposal. If that proposal meets the needs and solves a problem, a sale takes place.

Sometimes, these called conversion funnels, because there are conversions (e.g., signing up for emails, filling out a contact form, etc.) that companies want at each stage.

How to Create a Sales Funnel

Creating a sales funnel, which is ultimately a visual path to purchase for your customers, has to begin with a sales funnel design based on what you intend to do and what you want to happen at each stage of a buyer’s journey. So, as you choose your template, and fill in the details of what your team will do at each stage, here are the key things to iron out.

Strategize Your Main Offer

Each sales campaign should come with an offer. But before you make any offer, even with your first campaign, you have some research to do.

First you will need to develop a buyer persona – a data-rich “portrait” of your ideal customer. It should include general demographics data, typical buying behaviors, problems, and pain points. Get this data from your CRM and through direct surveys, or conversations with your current clients.

From your research, you should be able to conclude the types of offers that will appeal to your target audience. Then, you can A/B test them out to see which ones generate the highest conversions.

Design a Landing Page

The point of the landing page is to promote your new offer and maximize your chances of capturing leads. Landing pages are usually standalone assets with little-to-no distractions:

  • They don’t include backwards navigation (or any navigation at all)
  • They are built to promote a single offer (or a group of similar products)
  • They strategically guide the visitor towards a single conversion – leaving an email address, making a purchase, downloading a free sample etc.

Offer an Additional Incentive/Up-Sell

Apart from pitching that main offer, strategize additional incentives that will strengthen your funnel design and prompt action. These could be:

  • Time-sensitivity/scarcity. Add a countdown or “limited time only” label to your offer for your leads to act now. For example, FreshBooks is offering a limited time deal for summers on their landing page. This helps the leads to take quick decisions.
  • Give away a “bonus” with your deal: a discount, extra “freebies” e.g. additional gated content or product samples etc.
  • You should also consider any type of bundle that you an offer with a great price break.

Follow-Up on All Leads

What specific activities will continue to nurture those leads? Obviously, you will stay in touch through email, if you are an e-commerce business. In each email, you want to engage that prospect in some way. You can send out regular digests featuring bestsellers or “in vogue” items from your company. You may notify them when a product they’ve saved or placed in the cart goes on sale. The goal is to maintain their interest in you. While they may not be ready to buy right now, you want to keep your name in front of them so you are the one they think of when they are ready.

If you are a B2B business that is looking to schedule a sales meeting and a demo , you may follow-up with a phone call or a personalized outreach letter prompting to keep the conversation going.

Split-Test Your Designs/Offers

Schedule a series of tests to determine which activities at each stage of your funnel are getting better results. A/B testing is the best way to validate your initial funnel building assumptions.

  • Design two variations of an ad that is designed to bring your target prospects into your awareness funnel. Then collect the data to gauge which ad brings in more visitors.
  • Test the CTA’s on your landing page. If you are not getting the responses you want, pick one aspect to change and see if that makes a difference – it may be something as simple as the button you are using.
  • Try two different versions of a re-targeting ad and determine which one gets a wider response.
  • Craft two versions of an email with two different offers. Which one brings a larger response?

The beauty here is that you can A/B test any communication activities/tasks that you design. And you can apply those tests up till you find that ideal set of actions for your sales funnel.

If you are not tracking your customers’ journeys, then how do you know whether all of your efforts to nurture them and meet their needs are working? You don’t. And that’s why having a documented sales funnel is so important.

It allows you to identify what steps your teams are taking to close a sale, from the time a visitor comes along, to conversions along the way, to the ultimate purchase. If you don’t know these, and you are not taking a target through your funnel, you have no idea whether your efforts are getting the results you want.

You can use the history of movement through your funnel to make predictions. If 10% of your visitors move to the second stage and 20% of those in the second stage move to the third and so on, then you can use those figures to predict ultimate sales, or to focus on a stage that is not getting the results you want. How to Visualize An Effective Sales Funnel

Any experienced salesperson will tell you that the completion of a sale is only a small part of the sales process. Selling is not an act, but a process. It begins long before any transaction takes place. Carefully identifying and managing all the ways a potential lead interacts with your business to make sure they are constantly engaged is key to ensuring the conversion from awareness to purchase decision. 

At every step of the way, potential leads need to feel like your business is adding value to their experience while being convinced of your ability to fulfill their needs.  Creating a sales funnel allows potential customers to interact with your business in the most optimal way so you can influence their purchase decision.

What is a Sales Funnel?

A sales funnel is a visual representation of the journey prospects go through on their way to make their purchase. If you can successfully get prospects from one end of the funnel to the other without them dropping out along the way, you now have a new customer.  

In order to design a successful purchase journey, you need to understand how and when users interact with your business. Creating a sales funnel allows you to visualize each step of the process and the insight it provides can help you set up an effective marketing strategy for each stage

Why the Sales Funnel Matters

According to Pardot, 68% of all organizations have not identified or measured their sales funnel and 79% of the leads never gets converted to paying customers. Without an effective sales funnel , businesses are unable to move leads through the pipeline and cannot identify improvements that need to be made in the processes for effective conversions. A detailed sales funnel can help an organization achieve a variety of goals and help fine-tune the series of steps required to nudge potential customers into making a purchase decision. Some of the benefits of a sales funnel are:

  • It can help attract a community that may not be familiar with your business
  • Help engage with an audience that knows and understands your business
  • Educates prospects who would like to purchase your product or service

The Stages of the Sales Funnel

Creating a sales funnel allows you to track a prospect from the time it first interacts with your business all the way to a completed purchase while identifying all the ways customers have dropped out along the way.

When your customer learns about your business for the first time he is in the awareness stage. Early in the journey, customers are going through exploring options to solve a specific problem.

To target customers during the awareness stage it is important to understand where they are present and find a way to reach out to them with a relevant message. A clear understanding of a customer here will help you develop the right channels to communicate through so you can reach them in the most effective manner.

This is the first impression of your brand , so a carefully crafted experience is key to keeping them engaged.

Interest and Evaluation:

Once you have succeeded in piquing their interest, the potential customer may now consider you as a viable option. At this stage, the customer probably has many questions about your product and how it fits into their lives. The key task here is to provide clarity and remove any friction that may cause them to drop out. Remember, they have expressed their interest in certain ways- clicking on an ad, responding to a form, replying to a sales e-mail and now the onus falls on you to convert that interest into a sale.

After a lead has moved from the awareness stage to the interest stage if they are still engaging with your business or your promotional material, it is likely that they have now entered the ‘Desire’ stage. At this point, they are evaluating options and are considering the reasons to choose your product. Many times they are often looking for some validation to their decision, so a well-timed content plan can reassure them they are making the right decision. It could be customer testimonials, case studies from other customers, tutorials, or even discount codes.  

The main goal at this stage is to show prospects what life would be like if they chose your product or service. 

There is still some ground to cover between a customer deciding on your product and actually making a purchase. But your goal here isn’t simply to get your customer to complete a transaction, it is to ensure they find customer success. This means supporting them with educational material providing the right onboarding experience or even training them to use the product to the best of their ability. 

One of the most commonly overlooked aspects in a sales funnel is the delight stage. This is the stage where your sales funnel gives birth to the next sale funnel. Converting customers to evangelists greatly minimizes the number of new customers that drop out in the earlier stages of the funnel. Delighting customers can increase retention rates which can have great implications on a business. Just a 5 % retention rate can result in a 25% to 90% increase in profits.

Lead Nurturing 

Just setting up a funnel and identifying touchpoints isn’t enough. Your sales strategy needs to nurture sales along every step of the funnel and develop and reinforce relationships with buyers that have lasting effects. You can do this by providing the information and answers they need to build trust, increase brand awareness, and maintain a connection until prospects are ready to make a purchase.

Companies who properly nurture their leads see a 450% increase in qualified prospects. And, those who take the time to nurture and grow those customer relationships, see 50% more sales at a 33% lower cost.

Sales Cycle Management:

After the sales funnel is identified, effectively visualized, and the various touchpoints considered, your sales team must create a process to effectively and consistently convert potential sales into customers. Sales cycle management is the process of keeping track of all the stages in the sales life cycle. It involves adjusting them to customers based on their behavior during those key stages.

Prospect:  Involves identifying potential customers. Here it is important to create an idealized customer persona so your sales team can look for prospects that most closely match it. 

Contact: After preparing a list of prospects it is important to identify which stage of the buyer’s journey each prospect is on. This will allow your sales team to more readily identify what the prospect’s needs may be.

Qualify: Here the salesperson identifies whether or not a potential prospect is interested in a purchase and how far away they are from making an actual decision.

Nurture: This involves actively engaging with prospects until they are ready to make a transaction.

Offer: Leads that sign up for demos or trials and are inquiring about pricing are ready to make a purchase. At this point, it is appropriate to make a sales pitch that concludes with an appropriate offer.

Handle Objections: This is where sales representatives listen to customer concerns and consider any counteroffer they make.

Close: The sale is now complete, all questions the lead had have been answered and the transaction is complete. Your business efforts should now be spent on ensuring your customer achieves success with your product. 

Creating and implementing a sales funnel is a series of incremental steps that eventually lead to successfully closing a sale. Spending the time and effort to ensure every stage of the funnel is well thought through and engages the customer in the right way, can greatly boost overall sales number, increase repeat customers, and overall customer satisfaction.

Sales Funnel Terms to Know

Let’s start with the basics and cover the key definitions you’ll come across further on:

  • Marketing Qualified Lead (MQL): This is a person who shows interest in your solutions, meets the specific criteria of the marketing team and can be defined as a potential customer.
  • Sales Qualified Lead (SQL): This is a lead who has been reviewed and qualified by salespeople and is identified as a person who is likely to buy your products or services.
  • Opportunity : Opportunities are qualified prospects with the highest potential to turn into a deal. In other words, it’s an opportunity for you to make a sale.
  • Closed-Won: An opportunity that became a deal. For example, a prospect who signed a contract and purchased from you.

What Are the Main Stages of the Sales Funnel?

The first two stages of a sales funnel lie in the responsibility area of the marketing team, while the latter three are all about sales. To help you understand those steps or stages, let’s imagine you’re throwing a huge charity event and want to invite as many people as possible.

1. Awareness: It Starts With Leads

At this stage, you start spreading the word about your charity event among your friends, family, colleagues and acquaintances. Informing a wide group of people about your event corresponds to raising awareness about your company, products and services in your target audience. These are your leads. This is the top of the funnel (TOFU).

2. Interest: Marketing Qualified Leads Are Here

As the event day approaches, some people you’ve invited may ask about the time and location. In a business context, this is where marketers qualify people who engage with your content against a number of criteria before passing them to the sales team. These criteria may include your lead’s job title, industry they come from, company size and location and any other data that indicates your lead aligns with your ideal customer profile and can need your services.

3. Consideration: Time for Sales Qualified Leads

Yet, even those who asked for more details may consider other events, parties, or concerts taking place at the same time as yours. Just like potential clients can review and compare offerings from your competitors, as well. At this point, the sales team qualifies leads and moves those who have the highest potential to buy, to the next stage.

4. Decision: Opportunity to Close a Deal

So, the people you invited reviewed their options and a part of them decided to attend your charity event. For sales, the most fascinating part starts here: First call or meeting with the prospect in person, product demo, negotiating contract and other legal nuances. It’s important to monitor these steps to identify bottlenecks that hold back your leads from proceeding to the deal.

5. Purchase: Closed-Won Deal

Finally, on the day of your charity event, a small handful of the initially invited group actually show up to it. Same story with the sales: Only a few leads come to the last step of signing the agreement and bringing you revenue.

Conversions in the sales funnel depend on multiple factors, like the channel you’ve used to engage with your audience, the industry your lead comes from, the size of the company they work in, and others.

Your website visitors make up the initial stage of the sales funnel. Among the numerous individuals who visit your website, only a small portion will ultimately become leads. As you progress further down the funnel, the likelihood of filtering out less committed buyers increases, allowing you to convert those who align with your product.

Let’s take a SaaS company as an example to see how conversion benchmarks vary, based on the industries they are targeting:

Based on the example above, if you’ve got 100,000 people from the finance industry who have viewed your website, only 1,700 of them will become leads. From that, 646 of them will be identified as MQLs, around 271 will turn into SQLs, 130 will turn into an opportunity and a mere 50 will be likely to purchase. So, roughly your conversion rate from the top of the funnel to the bottom of the funnel is 0.05 percent.

How to Build an Effective Sales Funnel

Now that you have an idea of what the sales funnel looks like and optimal conversion rates, it’s time to see how to engage with your leads at each stage. Check out how to create an optimal sales funnel that brings regular revenue.

Generating relevant leads requires a combination of both inbound and outbound prospecting efforts, such as: Social media , advertising, PR activities, webinars, SEO blog posts , cold emails , and so on. As you engage with these leads, try to get their personal details, at least their work email, via lead forms, subscription forms, calendar invites, etc. Here are some ideas for top of the funnel content pieces a CRM provider can use to get the attention of different businesses:

Continue nurturing them via emails and invite them to a call or demo. You can share sales decks, presentations, and other relevant BOFU content at this stage to help your leads decide between several solutions. For instance:

4. Opportunities 

Evaluate the potential of the prospect to buy, using BANT (or any other sales qualification framework). Depending on the score they get, plan the next steps: Work with objections , follow up with additional sales materials, schedule calls to discuss details, collaborate with the legal department to prepare an agreement, etc.

5. Closed Won
