How to Use GoodNotes for your Digital Planner (Tutorial for Beginners)

My digital planner on my GoodNotes app has become a tool that I rely on to plan even my most hectic days. Ever had those days where you feel like you’d lose your head if it wasn’t attached? I know I have! Sometimes I think that I can’t keep track of one more thing – and that’s why my digital planner has become a game changer! I've even given up my highly beloved paper planner in favor of the digital planner on my iPad!! ?

Whatever I have to face in a day, I know that I have a planner that is easily accessible, lightweight, and user friendly. But I know my digital planner wouldn’t be half as powerful without the best app.

One thing is clear: if you’re frustrated with your digital planner, it may be because you’re using your tablet’s native software or PDF reader. But if you want to use your digital planner to its fullest potential (aka: get your digital planner working FOR you) then I’d suggest downloading Goodnotes so the digital planner can really start doing the heavy lifting! Watching (or reading) my tutorial for beginners on how to use GoodNotes with your digital planner will give you a huge head start.

Ready to give it a shot? I don’t blame you! That’s why this blog post is all about how I use my digital planner with the GoodNotes app. Right now, the GoodNotes app is available on the app store for $8. Honestly, it’s the best $8 I’ve spent on an app in my life and totally worth the investment. My favorite thing about GoodNotes is that it can be opened across your devices. That means that, even though I can’t edit my planner the same way on my computer or phone, I can still reference it and take my digital planner with me anywhere! Convenience is definitely high up on my priority list, and GoodNotes gets some big points in this area.

One more thing before we jump into all the GoodNotes fun, I wanted to note that I use an iPad Pro and Apple Pro Pencil with my digital planner. There are many different options, and if you want to dive into a couple options that may be good for you, check out my previous blog post all about the best tablet and pencil to fit your needs and budget. 

How to Open a Digital Planner in GoodNotes

Since this post’s focus is how to use a digital planner with GoodNotes, I’m going to assume you already have a digital planner. If not, don’t panic! There are plenty of digital planners to choose from, including the Sweet Life digital planner. Regardless of where you get your digital planner, a good thing to keep in mind when shopping is the planner’s hyperlinks. If you don’t know what that is, that’s perfectly fine! Just keep reading!

As you can see, when I opened my digital planner, GoodNotes remembered where I had been working. I was smack dab in the middle of a planning session, so you can see GoodNotes put me right back in the action as soon as I opened it.

In order to get back to my main planner view, I can tap the home button, which is in the upper right corner as highlighted in the photo below.

This is a great example of hyperlinks. Hyperlinks are really the thing that give a digital planner an edge over a paper one. A hyperlink means that when you click on the tab labeled “August”, your planner will automatically jump to the month of August instantly. These hyperlinks are built in by the developer of the planner, so not every digital planner will have the same hyperlinks. A good digital planner will have a lot of hyperlinks since that eliminates the need to scroll and scroll and scroll to find the page you need. You want your digital planner to do all the hard work for you, so when you’re shopping around for a planner, keep those hyperlinks in the forefront of your mind. 

How to Use your Digital Planner in “Read” and “Write” Modes in GoodNotes

GoodNotes has two main modes to operate in: read and write modes. Read mode means that when you touch your pencil to the tablet, it will not write. Instead, you’ll use your pencil to tap, click, and scroll through the digital planner. Write mode is where you want to be in order to actually start writing in the planner. 

When GoodNotes first launches, it’ll start in “read” mode. To switch from read mode to write mode, click on the drawing tool located in the top right corner of the toolbar, as highlighted in the photo below. This will make a blue toolbar pop up right above the original toolbar. This new toolbar is called the “nav bar” and when it’s up, your pen is ready to write. To switch back to “read” mode, you’ll click on the logo in the nav bar that is a pen with a little line through it on the far right side.

Once you’re in write mode and ready to start writing, tap the pen tool on the toolbar beneath the nav bar, like in the photo below. Now you’re ready to start planning!

If you ever make a mistake, you can always hit the “undo” button, highlighted in the photo below. If you make a scribble and need to take it back, this one’s a life saver! The thing to note with the undo button is that it will undo one stroke (that means a mark made without lifting your pencil). While great for accidental marks or for deleting a whole word if you’re writing in cursive, it’s not a practical way to erase – leave that to the erase tool, located to the right of the pen tool.

Now that you can use your hyperlinks and write on your planner, it’s all about making sure you’re in the right mode to use your tools. This is maybe one of the biggest places people get confused when switching to a digital planner. 

Say you’re planning your month, you’re done writing everything down, and you’re ready to move on to the next month. If you tap on the next month tab, but you’re still in write mode, the hyperlinks aren’t going to work. Instead, you’ll actually make a little mark on the tab, because you’ve told your planner that you’re writing, not that you want to click on anything. You can see in the photo below where I tapped on “August” while still in “write” mode.

If you want those hyperlinks to work, make sure read mode is active. Again, go back to read mode by clicking the button on the far right in the nav bar. It’s highlighted in the photo below.

It’s a learning curve at first, so it will take a little bit to get used to. But just stick with it and you’ll soon be navigating these two modes like a pro! I haven’t been in the digital planning game for terribly long and It’s already become second nature for me now – I don’t even have to think about it!

More About Digital Planner Hyperlinks in GoodNotes

Remember how I said hyperlinks are what set digital planners apart? I wasn’t exaggerating! In my original example, I talked about navigating from month to month. But that’s just the beginning! Good digital planners can go from a month view to a weekly view to a day view all with a little tap! From your month view, tap on the day of the month to enter into a daily planner.

The same rules apply for a weekly calendar view. Simply tap on the week, and you’ll be viewing the weekly plan in a matter of seconds.

  The Digital Planner Makes the Difference

As I mentioned before, not all digital planners are the same. Just because one digital planner has those monthly, weekly, and daily hyperlinks, it doesn’t mean that every digital planner is going to have those same hyperlinks. So, when you’re shopping around for digital planners, keep an eye out for those hyperlinks! That is really going to be the thing that makes your digital planner worthwhile. 

The Sweet Life Planner has around 20,000 hyperlinks. In my opinion, the more hyperlinks the better because that means the easier it is to navigate. This one has some tabs on the top, which act like little bookmarks to your “at a glance” views and then tabs along the side to easily navigate through the months and monthly goals. 

How to Change Pen Thickness and Style in GoodNotes

Now that you have a basic understanding of how digital planners work and how to navigate them, I want to highlight a couple features that GoodNotes has to offer. 

The first is the customization of the pen tool. If you tap on the pen once (reminder: that tool on the toolbar toward the left side), it will simply switch to the pen and you’re ready to write. But if you tap twice, a couple customizable features show up in a drop down menu. Here, you can select the type of pen (fountain, ballpoint, or brush) as well as some of those other details like the Palm Rejection feature.

Palm Rejection is a feature where, when you’re writing with the tablet pencil, the tablet will only recognize the pencil and it won’t think your hand is trying to write, which will feel more like you’re writing on paper. This is a feature I definitely recommend so if you want to make sure your tablet and pencil have this capability, read more about it on my post all about how to get started with digital planning. 

Next, you can choose the color you are writing with. The button  that is on the right side of the toolbar offers preset colors or customizable colors. If you really want to get fancy, you can even enter the hex number of a specific color.

You’ll see there are three spaces in the toolbar where you can store a color. This is so you can set three different colors and easily switch between them. (Who else is all for color coding when they plan?! ?)

Right next to the color select is where you can set your pen thickness. Similar to the color select, there are three different thicknesses. I like to use the thicker options for headings or bolded events. However, the thinner option will be best when writing in the smaller boxes.

Each of these quick-change thicknesses can be customized. You can make your lines whatever thickness works best for you just by tapping twice and sliding the bar to your desired thickness.

How to Pinch and Zoom in GoodNotes (so you can write in small boxes on your digital planner)

Speaking of those small boxes, on paper planners it can be frustrating trying to fit everything you want into them. However, with GoodNotes on your digital planner, you can zoom in on any space by simply pinching and moving your fingers in and out, just like you would on a smartphone. 

I got so used to zooming in to make my writing area larger that honestly I got frustrated that I couldn’t zoom in on my paper planner! ?

When writing on your digital planner, I lay it down flat on the desk. I have a case for my iPad that allows me to stand it up, but when I’m writing in my digital planner, I typically have my iPad completely flat. It really is like I’m writing in a paper planner! Like any new thing, there's a slight learning curve, but I was surprised by how quickly I got used to writing on my iPad. 

How to Highlight your Digital Planner in GoodNotes

The next tool on the toolbar, to the right of the eraser, is the highlighter. Once the highlighter is selected, you can see the color defaults and thickness have changed. This is all customizable in the same way as I mentioned above, and is specific to the highlighter tool. That means, when you switch back to the pen, all your previous defaults will still be the same. And, if you go back to the highlighter, all the defaults you set while using the highlighter will be right there waiting for you.

How to Add Shapes to Your Digital Planner in GoodNotes

Next, to the right of the highlighter, is the shape tool. This tool will straighten out the lines of shapes after you draw them. So, if I draw a shaky circle with my pencil, if I have the shape tool selected, it will connect the circle and make sure the line is nice and straight. Great for drawing boxes, or adding little flourishes to bring attention to items, or even create a key for another layer of planner organization.

How to Add Images to Your Digital Planner in GoodNotes

Right after the shape tool on the toolbar is the icon to add an image. Simply click on the tool, and then you can select your images. Photos you’ve saved on your tablet will automatically appear in the toolbar for easy access (the most recent photos first), but you can also select a photo from your tablet’s files. Drag and drop them to anywhere in your planner and click and drag the corner to adjust the size. This is great for creating memory books or for adding a photo to every day. I don’t use a ton of photos in my own planning, but this can be a great tool to use if that’s how you like to plan and remember those special moments that happen every day.

How to Type in your Digital Planner (instead of writing with the stylus)

Next up is the text box. If you don’t love your own handwriting or planning with a pencil, then the text box allows you to type and place text anywhere in your planner. Once the text box has been added, change the text size, font type, and all those good details by tapping on the icon to the far right , as pictured here. 

If you want to really use the text feature, I suggest purchasing a keyboard to use with your tablet. I have an Apple keyboard that attaches to my iPad. The keyboard has a feature so that when I fold the keyboard over to write on my iPad, any buttons pressed won’t actually type, kind of similar to the palm rejection of the pencil. If you’re looking for a keyboard for a tablet, this is a handy feature to keep in mind. 

The Best Tool for Digital Planners in GoodNotes – The Lasso

I’ve saved the best tool for last! The lasso tool is really going to help when rearranging items on your planner. Sometimes plans change, to-do list items have to move, or maybe you just wrote the item down in the wrong place. The lasso tool lets you literally select an item or items and drag it to a new location on your planner. It really is that easy! The only thing to be aware of is that if you select any part of a letter or object, it will include it in the lasso. The good part about this is you can be a little sloppy when selecting what needs to move. The bad part is that even selecting the tiniest part of an object will include the whole thing in the lasso. It’s a powerful tool that is really a game changer – it just takes a little getting used to!

With the lasso tool, you can convert your handwriting to text and then share that text. To do this, first select the text with the lasso tool. Once selected, tap and hold over the selected item to open up a small menu. On this menu, you can take a screenshot (which will take a photo of the selected text), resize (which will make the selected objects bigger or smaller), change the color, copy, paste, delete, or convert. In order to change handwriting into text, click convert. 

Once convert has been selected, a box will pop up with the converted text:

From here, select the share icon in the upper right corner to then share the text. It can be exported and saved, sent to another person, or airdropped to another device. 

A way that I use the convert tool in my own life is through making outlines. Oftentimes, when I’m planning something out for work, I like to physically write it out with my hands. A big part of my brainstorming process is actually writing things down. Now, I write these outlines in my digital planner, which is extremely helpful, but I still need to get those ideas into a text format so I can easily edit them later or share information with my team. That’s when I convert my plans to text so they can be saved and shared without anyone else having to read my handwriting or start from scratch. 

How to Use Stickers in your Digital Planner

Last, but not least is stickers! I have questions all the time about how to use stickers with a digital planner. I’m going to show you in my Sweet Life planner since there’s already a tab specifically made for stickers. All you need to do is insert the images of your stickers onto the sticker tab. You can insert them from a file or pull them out from the camera roll on your iPad.

To use a sticker, use the lasso tool to select it. Click and hold on the image until the little menu pops up, and then select copy. Now, go to where you want the sticker to be. Tap and hold again to get that menu to pup up where you want the sticker to be. Select paste.  

Once it’s pasted, you can adjust the sticker size and location – just drag and drop! It’s that easy. 

I hope that all these tips and tricks give you a better understanding of exactly how GoodNotes and your digital planner work in tandem. How to Use GoodNotes for Digital Planning

One of the best things you can do when trying out a new app or program is to play around with it. Test out all of its features to get a feel for it and get more comfortable with it. I encourage you to grab your iPad right now and go through this tutorial with me so we can do this together.

Something I’ve learned through digital planning with GoodNotes is that everyone uses it differently. There are some features that are very important to some that may not be as important for others.

There are also other features that almost everyone uses and loves. We’ll go through all of them together.

Using a Digital Planner in GoodNotes

This post is all about how to use GoodNotes for digital planning . If you need help learning how to download your planner to GoodNotes , I have another tutorial for that which you can check out here .

I know I’ve said it a few times before but one of my favorite things about GoodNotes is all of the amazing features it comes with. Here are just a few of them:

  • Search your handwriting
  • Annotate your planners
  • Organize your planners and journals however you wish
  • Personalize your planners and journals
  • Save and reuse elements and stickers
  • Open documents side by side
  • Access your planners on the Mac or iPhone
  • Easily share your planners

Library Section in GoodNotes

When you first open up the GoodNotes app, you will see the library section where all of your documents are stored. This is where your planners, journals, and any other PDF documents you download will be saved for you. 

Below you can see that I have my 2023 planner, as well as my digital notebook, my habit trackers, and my mini planner. You can get the digital notebook, habit trackers, and the mini planners for free by joining my email list and I will send you the password to my freebie library where you can access all of them.

I will be adding more to the library as I create more free content so it’s definitely worth signing up for!

The library section was designed to help keep you organized. You can create different folders for different things such as having a folder for all your planners and another for all your journals.

You can even use these folders to help categorize your things by quarters or years. It’s always nice to keep your old planners and look back on different times of your life. I especially like doing this with my older journals.

If you want to create a folder just follow these steps

  • In the library area click on the + sign
  • Choose ‘Folder’
  • Name your new folder
  • You can now add documents to this folder by holding down on a document and dragging and dropping it on the top of the folder.

Using GoodNotes for Your Digital Planner

Whenever you buy a digital planner or journal make sure that it contains hyperlinks. Hyperlinks act like buttons you can press to help you easily navigate your planner and make the whole experience much easier.

Note: Hyperlinks only work in ‘Read Mode.’ They will not work in ‘Writing Mode’ so make sure that Writing Mode is not on when trying to click a hyperlink. I’ve received a few comments before about the hyperlinks not working but it was due to Writing Mode being turned on.

Let’s go more into depth on what ‘Read Mode’ and ‘Write Mode’ are.

Using Your Digital Planner in ‘Read Mode’ and ‘Write Mode’

GoodNotes has two main modes: Read and Write.

When you first open up GoodNotes, you will see that it starts off in ‘Read Mode’.

To switch from ‘Read Mode’ to ‘Write Mode’, click on the drawing tool located in the top right corner of the toolbar. This will make a blue toolbar pop up. This toolbar gives you the ability to do lots of different things with your pen.

To switch back to “read” mode, you’ll click back on the tool.

When you are on ‘Read Mode’ all your hyperlinks will work and your pencil will not work to write. You can still use your pencil to scroll and click but you will use this mainly when navigating and reading your planner.

By switching to ‘Write Mode’, you are able to actually use your pencil to annotate throughout your planner. Now you’re ready to start planning!

I briefly mentioned hyperlinks but I wanted to make this a point. When purchasing a digital planner make sure they contain hyperlinks as that will make a world of a difference for you.

These hyperlinks make things easier for you because it’s like a click of a button where you can easily go from one page to another and easily navigate throughout your planner. There’s no need to scroll throughout your entire planner to get to the page you want because it’s easily accessible to you by using the hyperlinks.

Don’t forget that hyperlinks will only work when using your digital planner in ‘Read Mode’. Otherwise you will be drawing dots while trying to click the links.

Pro tip: If you really want to access a link while in ‘Writing Mode’ use this hack. Long press a hyperlink for a few seconds and you will see a little pop up asking if you’d like to “Open Link’ or ‘Add Comment’.

GoodNotes Topbar Menu

Now let me show you all the features you get access to when using GoodNotes for digital planning.

QuickView allows you to quickly go through the pages to find the page you are looking for. Hopefully you won’t need to use this feature as much if you have hyperlinks but it does come in handy when you have a document that isn’t hyperlinked.

When you open up QuickView, you will see 3 options at the top. Thumbnails, Favorites, and Outlines.

The Thumbnails tab is where you can quickly skim through the pages to find the one you are looking for. Simply click on the thumbnail of the page to be taken directly to it.

Favorites will take you to any page you have marked as a favorite. I will show you how to do this in just a bit.

Outlines can act like an index if you have marked your page as an outline. Again, I will show you how to do this in a bit.

Next is your Search feature. This is pretty self-explanatory but what makes this feature awesome is that you can actually search your own handwriting. I love this feature when looking for something I specifically wrote.

This little bookmark icon is used to mark any page within your planner as a favorite. You can then go back into QuickView and quickly find all the pages you’ve bookmarked under the ‘Favorites’ tab.

The share tab allows you to export your documents or print them. There is also a ‘Share Link to Collaborate’. GoodNotes allows you to create shareable links to your documents that gives anyone access so that you can edit them together. This is a really cool feature if you like to share your planner with family members.

The undo and redo option gives you the ability to quickly undo a mistake or redo something you accidentally undid. You can think of undo as a quick eraser tool. Click it as many times as you want to go back and forth to the step you desire.

The Add Page feature is one that I use often when I want to add one of my inserts into a certain area of my planner. I simply copy the page and then insert it right where I want it. You also have the option to add a page from a Template, Image, Document, Photo, or simply by Importing a document.

Read and Write Mode

By now, you probably already know what this feature does. This icon starts out on Read Mode but you can click it again to go to Write Mode and have your Write Mode menu pop up.

If you click on the three little dots you will see a menu pop up that gives you more options.

By clicking this, you get the option to Copy a Page, Rotate a Page, Add a Page to the Outline, Change the Template, Go to a certain Page, Clear the Page, and Move Page to Trash.

You will also see a ‘Settings’ section where you can change your Scrolling Direction, customize your Stylus and Palm Rejection, and Edit your Document.

Once you turn Writing Mode “on,” you will see another menu pop up.

Let me go through what these are.

This is a feature I frequently use. I use this to make my writing neater than it would normally be if I wasn’t using it. 

Simply click the Zoom icon and you can place the rectangle on any specific area that you’d like so you can then write in the bottom portion of your screen.

Once you are done using the Zoom tool, simply click on the icon again and you will be taken back to your original view.

Now, this is a must-use tool for all digital planner lovers. I love all that this tool allows you to do. Back in my paper-planning days I would spend so much money buying all kinds of different pens, highlighters, markers, you name it.

So instead of having to look through my stash, now, with just one click, I can turn my pencil into a highlighter or pen. I can also change the tip size as well as customize the color to exactly what I want. This little tool will save you a lot of time and money!

How To Use the Pen Tool in GoodNotes

If you double-click the pen tool you will see more options pop up. You can change the pen style from here and go from using a fountain pen, to a ball pen, to a brush pen. 

Under this, you will see a settings section where you can customize your settings even more. You will also see an option to disconnect your Apple Pencil if you have one connected to your iPad.

You can change the color and size of your pen by clicking on the icons to the right.

You will see three color selections. This lets you set three colors that you use the most which will make it easy for you to switch back and forth. You can change the color by clicking on the colors and changing them. You can also set presets which are a set of colors that you use the most often.

To the right of the colors you will see three lines. These lines allow you to switch the thickness of your pen depending on what your preference is. You can also change what is already preset by double clicking the icon and adjusting the slider tool to what you prefer.

Once you have chosen your preference, GoodNotes will remember and will save that preference for you until you change it.

Pro Tip: If you are drawing a line and it isn’t as straight as you’d like it to be. Simply draw a line and hold at the end of the stroke. This will create a perfectly straight line.

Next we have the eraser tool. You can double click this tool to change the eraser style from precision, to standard, to stroke.

If you have highlighted some parts of your planner that also have notes you’ve written, you can choose the “Erase Highlighter Only” option which will erase only the highlighted portions and not the notes you’ve written with your pen.

Highlighter

The highlighter tool acts similarly to the pen tool except as a highlighter of course. You can double click the icon and you will see an option come up to draw in a straight line.

I always have this option “on” just to make my highlights look neater.

Just like with the pen tool, to the right you will see the 3 preset color options as well as 3 different sized circles. You can easily change the preset colors as well as the preset thickness by clicking on each option. 

The shapes tool is one that I don’t frequently use but I’ve seen how other planners use this feature to make boxes for their weekly or monthly spreads.

You can use this tool to make a shape you draw much more neat. Once you have drawn the shape you want, you can tap on it again to adjust the size further.

This is another tool you will probably use quite a bit. It gives you the ability to select text, elements, and images and cut, copy, delete, resize, change color, take screenshot, add element, or convert what you have selected. This is quite an awesome tool to use and makes digital planning on GoodNotes so much more worth it.

One of my favorite ways to use this tool is to convert my own writing into text.

This is one of the tools I recommend you experiment with because you can do so much with it. Don’t let it overwhelm you, I guarantee it will be one of your favorite tools after some getting used to.

The Elements tool makes it super easy to reuse graphics and text within GoodNotes. You will see that there are already some elements that you can use.

Pro tip: You can add your own element by lassoing any text or graphics and adding them to your collections.

If you’re someone that loves to add photos to your planners and journals, the images feature makes it super easy! I love adding photos to the vision board section of my planner so I really love how easy it is to add them in.

You can easily move the image around and adjust the size. Simply click the double arrow in the bottom right corner to resize and move it around by holding your pencil on your image and dragging it to your desired spot.

While some people prefer to write on their planner using their pencil, others may prefer to type out their text. There is no right or wrong. This is all about your preference and what you feel the most comfortable with.

Once you click on the type tool you have the option to change the font, font size, alignment of the text, text color, and the text box style. You also have the option to save your text styling as a default for new text boxes.

If you want to delete your text simply tap the text box and click delete. You will also be given the option to cut, copy, delete, and edit your text. You can also add a comment which works great for when you are sharing your planners.

Laser Pointer

The last icon on your menu is a laser pointer. You won’t really need to use this option when you are digitally planning. This laser pointer lets you draw attention to some parts of your notes when/if presenting them.

You can use either a dot or a trail which disappears a few seconds after you lift your Apple Pencil off the screen.

Getting Start With Digital Planning

You only need a few things to get started. 

  • Tablet. iPad's, including the iPad Pro, Air, or regular model, are most popular in the digital planning world but you can also use an Android device.
  • PDF markup / Annotation app. There are a number of options here and it depends on what device are you using. For iPad users, we suggest the GoodNotes app as it is the most popular option. Xodo is a great option for Android users.
  • Stylus such as the Apple Pencil. You can use other stylus' besides the Apple Pencil such as the Logitech Crayon.
  • Digital Planner. We offer pre designed digital planners and GoodNotes templates for all kinds of facets of life.

Today, we are going to focus on digital planning on an iPad with the GoodNotes app.

How to use your GoodNotes planner

As we mentioned, GoodNotes, which is a note taking and PDF markup app, is one of the best apps to use your digital planner. It's loaded with features and easy to use. Getting started is easy.

  • You need to import your digital planner into GoodNotes. To do this, open the digital planner file and click the "Share" menu and then select "Open in GoodNotes".
  • The planner will open in GoodNotes and now you can begin planning!

Common questions when using GoodNotes

Q: What exactly is GoodNotes? A: GoodNotes is a note taking app and also a PDF markup tool. You use your stylus to write notes like your tablet is a piece of paper. It mixes the pen and paper style with the benefits of being digital.

Q: How many GoodNotes templates can I have? A: That's the great thing, as many as you want! We offer a variety of different GoodNotes templates for you use. GoodNotes is now free and lets you have 3 notebooks and you can make a 1 time payment to unlock unlimited notebooks.

Q: How do I click on links? A: In order to click on links in your GoodNotes template, you have to be in the "Read-Only Mode" which is located in the top right corner of the app. The icon looks like a pencil. You toggle this to go from Read Only where you can click links, to writing where you can work.

Q: How do I navigate to certain pages? A: There are a couple of ways to navigate your digital planner. 1) You can use the navigation links mentioned in the above question. Your Boss Personal Planner is filled with hundreds of links to help you move around the planner. 2) You can bookmark pages you frequent often. The bookmark button is the ribbon icon in the top left corner, once clicked, it will be red to indicate the page is bookmarked. Then, you can click the navigation icon (4 squares in the top left) and go to the "Favorites" tab to view your bookmarked pages.

Q: Can you type in GoodNotes templates? A: Yes! In your toolbar, there is a text icon that allows you to add text. You can type multiple ways as well. You can use the on-screen keyboard, you can use a wireless keyboard attached to your iPad, or you can write with the stylus and it will convert it to text.

Q: Can you duplicate pages?  A: Yes! There are 2 ways to achieve this. 1) Click the ellipsis (...) icon in the top right corner and then select "Copy page", next, go to where you want the page, click the page icon with a + sign in it, select either "Before" or "After" and then "Paste Page". Method 2) Click the 4 square icon in the top left, find the page you want to duplicate, click the menu arrow next to the page (v), then duplicate. The page will duplicate and you can move it wherever you want in the planner.

How to insert your digital planner into goodnotes.

Digital Planning is a fun new trend in the planning world. It's a great way to stay organized and take your planner with you without any extra bulk. GoodNotes is my favorite digital planning app that works not only on my iPad but on my MacBook and iPhone, meaning my planner is everywhere I go. In this post, I will show you an easy way to add your digital planner to the GoodNotes app, using your iPad.

Saving Your File and Opening it in Goodnotes

Once you download your digital planner, save your file to an easy to find location. I add a folder to the "On My iPad" storage in my iPad files.

Open GoodNotes and press the big plus button labeled "New” in your GoodNotes file screen. Go down towards the bottom and select "Import"

Look for the file you just saved and click it. This will automatically import your document to GoodNotes and you are ready to go!

An Alternative Way to Open Files

Go into your files folder and locate the pdf you just saved. Press down on the file and click share. Scroll own n select open in GoodNotes. 

A screen will pop up asking where within GoodNotes you would like to save the file. Select your location and choose ‘Import as a new document” 

Your file will open and you can start planning!

We are a company with our registered office at 1 Bartholomew Lane, London, United Kingdom, EC2N 2AX (“Owner” and, “Licensor”), grant you a licence (the “Licence”) for the Goodnotes services which includes the Goodnotes mobile application, website and other software, features or content you have subscribed and any other product or services that links to this Licence, as well as all functionality that Goodnotes makes available (collectively, "Software") including any free Updates, Upgrades, patches, fixes or workarounds made available by the Licensor under this Licence, and any data, media or documents associated with it.

For the avoidance of doubt, this Licence shall not be deemed to amount to a sale of the Software. We remain the sole and beneficial owners of the Software at all times.

2. System requirements

  • Minimum Operating system requirements: iOS / macOS iOS 15.4 / macOS 12.3;
  • Storage space: Minimum requirement of 452.5MB. Additional space will be necessary if users download Handwriting Recognition (HWR) models. Also, additional disk space is needed for user-created documents. Users will need an iCloud account to share or synchronise their documents with other users or with their other devices. They need to have enough iCloud storage space to share the document; and
  • Other: Some internal features may require iOS 15.4 / macOS 12.3.
  • Subject to the terms of this Agreement and payment of the Licence Fee, we grant to you a limited, non-exclusive, non-transferable, non-sublicensable (other than as permitted under clause 3.2) licence to access, download, install and/or use the Software for the Permitted Purpose only in the Territory and for the duration of the Licence Term.
  • be liable for the acts and omissions of the Authorised Licensees as if they were your own;
  • procure that each Authorised Licensee is aware of, and complies with, the obligations and restrictions imposed on you under this Agreement, including all obligations and restrictions relating to record keeping, audits and download, installation or use of the Software and the Licensor’s Confidential Information; and
  • maintain a list of all Authorised Licensees and shall notify us within two Business Days if any updates to any list of Authorised Licensees are made.
  • Without prejudice to any other rights or obligations of either party, if you at any time have or obtain additional copies of the Software beyond those licensed under this Agreement (including duplicate deliveries), you shall promptly destroy the additional copies.
  • Third Party Software supplied as part of, or in addition to, the Software shall be subject to any additional terms and conditions and we will when practical notify you and provide you a copy, if any of the Third Party Software terms and conditions. You agree to comply with any terms and conditions relating to such Third Party Software.

4. Limitations on use

  • use, copy, modify, adapt, correct errors, or create derivative works from, the Software;
  • decode, reverse engineer, disassemble, decompile or otherwise translate, make alterations to, the Software, create any derivative works based on the whole or any part of the Software, convert the Software, or otherwise seek to obtain or derive the source code, underlying ideas, algorithms, file formats or non-public APIs to the Software, other than as expressly permitted under sections 50B and 296A of the Copyright Designs and Patents Act 1988 (and then only upon advance notice In writing to us);
  • assign, rent, loan, transfer, provide access, sub-licence, lease, resell, distribute or otherwise deal in or encumber the Software;
  • remove or modify any copyright or similar notices, or any of the Licensor’s or any other person’s branding, that the Software causes to be displayed when used;
  • install or use the Software, or permit it to be installed or used, by or on behalf of any third party, otherwise than for Permitted Purpose;
  • interfere with any licence-key mechanism in the Software or otherwise attempt to circumvent or interfere with any security features of the Software or mechanisms intended to limit your use; or
  • make the Software or copies of the Software available over a network or any other method of remote access, or facilitate the same.
  • You may make such backup copies of the Software for operational security or as otherwise reasonably necessary to support the normal use of the Software in accordance with this Agreement.
  • For each Software Licence that you pay for, unless otherwise specified in your Order, you may download a maximum of one production instance of the Software for use by one concurrent Authorised Licensee and that Authorised Licensee may use, run or operate the Software on a maximum of one device owned or operated by the Authorised Licensee.
  • You shall not exceed the Permitted Usage Rights and you acknowledge that you shall be required, without prejudice to any other rights or remedies to which we may be entitled, to pay us at the Licensor’s then-current rates for any additional usage of the Software.
  • You shall install, use and run the Software at all times in accordance with any instructions or user guidance and all other terms of this Agreement.
  • You shall notify us in writing as soon as you become aware of any actual or suspected unauthorised use of the Software (including any use in excess of the Permitted Usage Rights).

5. Download and installation

  • We shall provide all reasonable instructions, including any necessary activation codes or licence keys, once the Software has been paid for and downloaded. It is your responsibility to ensure that your computer system and network connection is capable of downloading the Software.
  • You shall be responsible for installing the Software in accordance with the instructions that we provide.
  • We shall not be responsible for any delays, delivery failures, or any other loss or damage resulting from the transfer of the Software over communications networks and facilities that we do not own, control or operate, including the internet.
  • Changes to services and terms: We may at our absolute discretion make updated versions of the Software or the Subscription Services referred to in any part of this Agreement (excluding in each case the Licence Fees) from time to time (“New Versions”). New Versions will replace the preceding version of the same Software for the purposes of this Agreement from the date 30 days after they are published on the Website (or at such later date as we may specify). You acknowledge that we are entitled to modify the features and functionality of the Software. We will use reasonable endeavours to ensure that any such modification does not materially adversely affect the use of the relevant Subscription Services by our customers generally.

6. Licence Fees

  • You will pay us the Licence Fees annually in advance as set out in the Invoice or set out on our Website via a Third Party Platform.
  • The Licence Fee and any other charges payable under this Agreement are exclusive of VAT which shall be payable by the Licensee at the rate and in the manner prescribed by law.
  • The Licensor reserves the right to increase the Licence Fees by a maximum of 15% on every anniversary of the Licence Term. The Licensor shall inform the Licensee in writing, with a minimum notice period of six (6) weeks, prior to the increase. The Licensor is entitled to increase the fees only once every twelve (12) months from the Licence Term.
  • If the Licensee wishes to increase the Permitted Usage Rights during the Licence Term, this increase of Permitted Usage Rights will be considered a new Order and will be executed by issuing a new Invoice which may be subject to increased Licence Fees.

7. Records and audit

  • number of production licences that you have purchased under this Agreement;
  • number and identity of any Authorised Licensees;
  • number of copies (including backup copies); and
  • location of installation sites and equipment or devices on which it is installed.
  • You shall allow and procure for the Licensor (and any authorised representatives of the Licensor) access to remotely inspect the equipment or device(s) on which the Software is installed and to audit (and take copies of) the relevant records of the Licensee and the Authorised Licensees, to the extent necessary to verify that the installation and use of the Software is in accordance with this Agreement.
  • during your normal business hours on Business Days;
  • subject to the provision by us of a minimum of five Business Days’ notice; and
  • not more than twice in any calendar year during the Licence Term.
  • You shall, at your own cost, provide all reasonable assistance and co-operation to us in conducting any inspection or audit undertaken under this clause 7. We will comply with your reasonable directions to minimise disruption to your business and to safeguard the confidentiality of your Confidential Information.
  • The provisions of this clause 7 shall survive termination or expiry of this Agreement for a period of 12 months.

8. Upgrades

  • The Licensor may from time to time offer additional features or Upgrades of the Software by email to the Licensee, setting out the commercial conditions and fees for the relevant additional features or the Upgrades. The Licensee shall be deemed to have accepted the terms of the email order (“Email Order”) upon confirming its acceptance by email.
  • If there is any conflict between this Licence and an Email Order, the terms and conditions of this Licence shall prevail.
  • If the Licensee opts not to upgrade or supplement their Licence with additional features, the Licensor will continue to offer their Licence for the version of the Software that the Licensee is currently using. The Licensee will be entitled to use that version of the Software for as long as the Licensor provides support for that specific version of the Software. As an illustration, the current version of the Goodnotes application is Goodnotes 6. Should the Licensee purchase Goodnotes 6, they can use it for as long as Goodnotes extends support for Goodnotes 6.

9. Warranty

  • The Licensor warrants that the Software, when used on a system meeting the technical requirements set out in clause 2 (as amended from time to time by notice to the Licensee) and in accordance with this Agreement, shall operate materially in accordance with the description of the Software maintained and published by the Licensor for 30 calendar days from the date the Software is purchased (the Warranty Period).
  • If you receive any Update or Upgrade of the Software under this Agreement during the Warranty Period, such Update or Upgrade will be covered under the warranty at clause 9.1 for the remainder of that original Warranty Period, but that Warranty Period will not be restarted or extended and no new Warranty Period shall apply as a result of any Update or Upgrade to the Software.
  • use reasonable endeavours to correct the errors in the Software within a reasonable time; or
  • terminate this Agreement and refund any prepaid Licence Fees, pro rata, as at the date of termination.
  • incorrect download, installation, operation or use of the Software (including any failure to follow any instructions set out on the Licensor’s website);
  • download, installation or use of the Software other than for the purposes for which it is intended;
  • modification or alteration of the Software without our written consent;
  • download, installation or use of the Software with other software or on equipment with which it is incompatible;
  • attempted repair, rectification or maintenance by any person other than the Licensor or a third party authorised by the Licensor;
  • failure to notify us of any error within a reasonable period of time of it first occurring; or
  • failure to install any Update or Upgrade recommended and made available by us.
  • any Third Party Software;
  • the Software meeting the Licensee’s individual needs or business requirements, whether or not such needs or requirements have been communicated to us;
  • the Software operating in a manner which is uninterrupted or free from minor errors or defects; or
  • the Software being compatible with any software other than the Third Party Software or with any particular hardware.
  • Subject to clause 12.5, the provisions of clauses 9.3 and 10 set out the Licensee’s sole and exclusive remedy (howsoever arising, whether in contract, tort, negligence or otherwise) for any breach of clause 9.1 or for any other error or defect in, defective performance or inability to use the Software or any part of it.
  • Other than as set out in this clause 9, and subject to clause 12.5, all warranties, conditions, terms, undertakings or obligations whether express or implied and including any implied terms relating to quality, fitness for any particular purpose, reasonable care and skill or ability to achieve a particular result are excluded to the fullest extent allowed by applicable law.

10. Intellectual Property Rights

  • The Licensee acknowledges that all Intellectual Property Rights in the Software are owned by or licensed to the Licensor, that the right to use the Software is licensed (not sold) to the Licensee and that the Licensee shall have no other rights other than those granted under the terms of this Agreement. For the avoidance of doubt, the Licensee shall have no right to access the Software in source code form.
  • modify or replace the Software to avoid infringement or alleged infringement; or
  • terminate this Agreement and refund, pro-rata, any prepaid Licence Fees paid by the Licensee and unused at the date of such termination.
  • Subject to clause 12.5, the provisions of this clause 10 set out the Licensee’s sole and exclusive remedy (however arising, including in contract, tort, negligence or otherwise) for any IPR Claim.
  • The Licensor may use any feedback and suggestions for improvement relating to the subscription Services provided by the Licensee or any Authorised Licensees without charge or limitation (Feedback). The Licensee hereby assigns (or shall procure the assignment of) all Intellectual Property Rights in the Feedback with full title guarantee (including by way of present assignment of future Intellectual Property Rights) to the Licensor at the time such Feedback is first provided to the Licensor.

11. Indemnity

  • YOU SHALL INDEMNIFY, KEEP INDEMNIFIED AND HOLD HARMLESS US (ON OUR OWN BEHALF ON BEHALF OF EACH OF OUR AFFILIATES) FROM AND AGAINST ANY LOSSES, CLAIMS, DAMAGES, LIABILITY, DATA PROTECTION LOSSES, COSTS (INCLUDING LEGAL AND OTHER PROFESSIONAL FEES) AND EXPENSES INCURRED BY US (OR ANY OF OUR AFFILIATES) AS A RESULT OF YOUR BREACH OF THIS AGREEMENT. THIS CLAUSE 11 SHALL SURVIVE TERMINATION OR EXPIRY OF THIS AGREEMENT.

12. Limitation of liability

  • The extent of the Licensor’s liability under or in connection with this Agreement (regardless of whether such liability arises in tort, contract or in any other way and whether or not caused by negligence or misrepresentation) shall be as set out in this clause 12.
  • Subject to clause 12.5, the Licensor’s total aggregate liability however arising under or in connection with this Agreement shall not exceed an amount equal to 100% of the Licence Fee.
  • Subject to clause 12.5, the Licensor shall not be liable for consequential, indirect or special losses.
  • loss of profit;
  • loss of revenue;
  • loss or corruption of data;
  • loss or corruption of software or systems;
  • loss or damage to equipment;
  • loss of use;
  • loss of production;
  • loss of contract;
  • loss of commercial opportunity;
  • loss of savings, discount or rebate (whether actual or anticipated);
  • harm to reputation or loss of goodwill;
  • loss of business; and
  • wasted expenditure.
  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation; or
  • any other losses which cannot be excluded or limited by applicable law.

13. Term and Termination

  • you commit a material breach of this Agreement and such breach is not remediable;
  • you commit a material breach of this Agreement which is not remedied within ten (10) Business Days of receiving written notice of such breach; or
  • you fail to pay any amount due under this Agreement on the due date and such amount remains unpaid within 10 Business Days after you have received notification that the payment is overdue.
  • Any breach by the Licensee of clause 4 shall be deemed a material breach of this Agreement which is not remediable.
  • Consequences of termination
  • stop using, uninstall, delete or otherwise remove the Software from all computers or devices in your possession or control (or in the possession or control of any Authorised Licensee); and
  • immediately and permanently destroy and delete or, if requested by us, return any copies of the Software in its possession, custody or control and, in case of destruction, issue a certification to us that you (and any Authorised Licensees) have done so.
  • You shall be responsible for backing up your data regularly and extracting it from the Software prior to the termination or expiry of this Agreement. We shall not be obliged to provide you with any assistance extracting or recovering data whether during or after the Licence Term.
  • Termination or expiry of this Agreement shall not affect any accrued rights and liabilities of either party at any time up to the date of termination or expiry and shall not affect any provision of this Agreement that is expressly or by implication intended to continue beyond termination; and
  • You are not entitled to a refund or other payment, except as otherwise stated in this Agreement.

14. Confidentiality

  • Any Confidential Information obtained by either party in connection with the provision of the Licence under this Agreement shall be treated by the receiving party as confidential, maintaining at least the same degree of care used to protect its own Confidential Information but not less than a reasonable degree of care, and the receiving party shall not, without the disclosing party’s prior written consent disclose, copy or modify any such Confidential Information (or permit others to do so) other than as necessary for the exercise of its rights and performance of its obligations under this Agreement.
  • The obligations under this clause 14 shall survive the termination or expiry of this Agreement for a period of five (5) years.

15. Licensee data

  • Licensee Data shall at all times remain the property of you or your licensors.
  • Except to the extent the Licensor has direct obligations under data protection laws, the Licensee acknowledges that the Licensor has no control over any Licensee Data hosted as part of the provision of the Subscription of Services and may not actively monitor or have access to the content of the Licensee Data. The Licensee shall ensure (and is exclusively responsible for) the accuracy, quality, integrity and legality of the Licensee Data and that its use (including use in connection with the Subscription Services) complies with all applicable laws and Intellectual Property Rights.
  • permanently delete or otherwise remove the relevant Customer Data from the Services;
  • suspend access to the relevant Licensee Data from the Subscription Services in accordance with this Licence and
  • disclose Licensee Data to law enforcement authorities (in each case without the need to consult the Licensee).
  • Where reasonably practicable and lawful the Licensee shall notify the Licensee before taking such action.
  • Except as otherwise expressly agreed in this Licence, the Licensor shall not be obliged to provide the Licensee with any assistance extracting, transferring or recovering any data (including Licensee Data) whether during or after the Subscription Period. The Licensee acknowledges and agrees that it is responsible for maintaining safe backups and copies of any Licensee Data, including as necessary to ensure the continuation of the Licensee’s business. The Licensee shall, without limitation, ensure that it backs up (or procures the back up of) all Licensee Data regularly (in accordance with its and its Authorised Licensee’s needs) and extracts it from each Subscription Services prior to the termination or expiry of our Licensee or the cessation or suspension of any of the Subscription Services where it has received notice from the Licensor of the same.
  • The Licensor routinely undertakes regular backups of the Subscription Services (which may include License Data) for its own business continuity purposes. The Licensee acknowledges that such steps do not in any way make the Licensor responsible for ensuring the Licensee Data does not become inaccessible, damaged or corrupted. To the maximum extent permitted by applicable law, the Licensor shall not be responsible (under any legal theory, including in negligence) for any loss of availability of, or corruption or damage to, any Licensee Data.

16. Entire Agreement

  • This Agreement and any descriptions of the Software made available by the Licensor, constitute the entire agreement between the parties and supersede all previous agreements, understandings and arrangements between them in respect of its subject matter, whether in writing or oral.
  • No variation of these terms or to an Order or to the Agreement, shall be binding unless expressly agreed in writing and executed by a duly authorised signatory on behalf of each of the Licensee and the Licensor respectively.
  • Each party acknowledges that it has not entered into this Agreement in reliance on, and shall have no remedies in respect of, any representation or warranty that is not expressly set out in this Agreement.
  • Nothing in this Agreement shall limit or exclude any liability for fraud.

17. Notices

  • in writing and in English;
  • signed by, or on behalf of, the party giving it (except for notices sent by email); and
  • where sent to the Licensor, sent to the address set out in the ‘contact us’ details on the Licensor’s website at https://www.goodnotes.com;
  • where sent to the Licensee, the address provided to us by you when you registered to download and install the Software.
  • by hand: on receipt of a signature at the time of delivery;
  • by Royal Mail Recorded Signed For post: at 9.00 am on the second Business Day after posting;
  • by Royal Mail International Tracked & Signed OR Royal Mail International Signed post: at 9.00 am on the f ourth Business Day after posting; and
  • by email: on receipt of a delivery email from the correct address.

  • This clause does not apply to notices given in legal proceedings or arbitration.

18. Variation

  • No variation of this Agreement shall be valid or effective unless it is in writing, refers to this Agreement and is duly signed or executed by, or on behalf of, each party.

19. Assignment and subcontracting

  • We may at any time assign, sub-contract, transfer, mortgage, charge, declare a trust of or deal in any other manner with any or all of the Licensor’s rights or obligations under this Agreement, provided that we give you prior written notice.
  • Except as expressly permitted by this Agreement, you shall not assign, transfer, sub-license, mortgage, charge, declare a trust of or deal in any other manner with any or all of your rights or obligations under this Agreement (including the Licence rights granted), in whole or in part, without the Licensor’s prior written consent.

20. No partnership or agency

  • The parties are independent and are not partners or principals or agents and this Agreement does not establish any joint venture, trust, fiduciary or other relationship between them, other than the contractual relationship expressly provided for in it. Neither party shall have, nor shall represent that it has, any authority to make any commitments on the other party’s behalf.

21. Severance

  • If any provision of this Agreement (or part of any provision) is or becomes illegal, invalid or unenforceable, the legality, validity and enforceability of any other provision of this Agreement shall not be affected.
  • If any provision of this Agreement (or part of any provision) is or becomes illegal, invalid or unenforceable but would be legal, valid and enforceable if some part of it were deleted or modified, the provision or part-provision in question shall apply with such deletions or modifications as may be necessary to make the provision legal, valid and enforceable. In the event of such deletion or modification, the parties shall negotiate in good faith in order to agree the terms of a mutually acceptable alternative provision.
  • No failure, delay or omission by either party in exercising any right, power or remedy provided by law or under this Agreement shall operate as a waiver of that right, power or remedy, nor shall it preclude or restrict any future exercise of that or any other right, power or remedy.

23. Compliance with law

  • The Licensee shall comply with all applicable laws and shall maintain such authorisations and approvals as required from time to time to perform its obligations under or in connection with this Agreement.
  • Without prejudice to the generality of clause 23.1, the Licensee shall comply with all applicable laws, rules, and regulations governing export of goods and information that apply to the Software, and shall not export or re-export, directly or indirectly, separately or as a part of a system, the Software to any country for which an export licence or other approval is required, without first obtaining such licence or other approval. The Licensee shall be solely responsible for ensuring its access, importation or use of the Software in or into any part of the Territory complies with all export laws.

24. Third party rights

  • A person who is not a party to this Agreement shall not have any rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any of its provisions.

25. Governing law and jurisdiction

  • This Agreement and any dispute or claim arising out of, or in connection with, its subject matter or formation (including non-contractual disputes or claims) shall be governed by, and construed in accordance with, the laws of England and Wales.
  • The parties irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of, or in connection with, this Agreement, its subject matter or formation (including non-contractual disputes or claims).
