How to Write a Dissertation | A Guide to Structure & Content

A dissertation or thesis is a long piece of academic writing based on original research, submitted as part of an undergraduate or postgraduate degree.

The structure of a dissertation depends on your field, but it is usually divided into at least four or five chapters (including an introduction and conclusion chapter).

The most common dissertation structure in the sciences and social sciences includes:

  • An introduction to your topic
  • A literature review that surveys relevant sources
  • An explanation of your methodology
  • An overview of the results of your research
  • A discussion of the results and their implications
  • A conclusion that shows what your research has contributed

Dissertations in the humanities are often structured more like a long essay , building an argument by analysing primary and secondary sources . Instead of the standard structure outlined here, you might organise your chapters around different themes or case studies.

Other important elements of the dissertation include the title page , abstract , and reference list . If in doubt about how your dissertation should be structured, always check your department’s guidelines and consult with your supervisor.

The very first page of your document contains your dissertation’s title, your name, department, institution, degree program, and submission date. The acknowledgements section is usually optional, and gives space for you to thank everyone who helped you in writing your dissertation. This might include your supervisors, participants in your research, and friends or family who supported you.

The abstract is a short summary of your dissertation, usually about 150-300 words long. You should write it at the very end, when you’ve completed the rest of the dissertation. In the abstract, make sure to:

  • State the main topic and aims of your research
  • Describe the methods you used
  • Summarise the main results
  • State your conclusions

Although the abstract is very short, it’s the first part (and sometimes the only part) of your dissertation that people will read, so it’s important that you get it right. If you’re struggling to write a strong abstract, read our guide on how to write an abstract .

In the table of contents, list all of your chapters and subheadings and their page numbers. The dissertation contents page gives the reader an overview of your structure and helps easily navigate the document.

All parts of your dissertation should be included in the table of contents, including the appendices. You can generate a table of contents automatically in Word.

If you have used a lot of abbreviations in your dissertation, you can include them in an alphabetised list of abbreviations so that the reader can easily look up their meanings.

If you have used a lot of highly specialised terms that will not be familiar to your reader, it might be a good idea to include a glossary . List the terms alphabetically and explain each term with a brief description or definition.

In the introduction, you set up your dissertation’s topic, purpose, and relevance, and tell the reader what to expect in the rest of the dissertation. The introduction should:

  • Establish your research topic , giving necessary background information to contextualise your work
  • Narrow down the focus and define the scope of the research
  • Discuss the state of existing research on the topic, showing your work’s relevance to a broader problem or debate
  • Clearly state your objectives and research questions , and indicate how you will answer them
  • Give an overview of your dissertation’s structure

Before you start on your research, you should have conducted a literature review to gain a thorough understanding of the academic work that already exists on your topic. This means:

  • Collecting sources (e.g. books and journal articles) and selecting the most relevant ones
  • Critically evaluating and analysing each source
  • Drawing connections between them (e.g. themes, patterns, conflicts, gaps) to make an overall point

In the dissertation literature review chapter or section, you shouldn’t just summarise existing studies, but develop a coherent structure and argument that leads to a clear basis or justification for your own research. For example, it might aim to show how your research:

  • Addresses a gap in the literature
  • Takes a new theoretical or methodological approach to the topic
  • Proposes a solution to an unresolved problem
  • Advances a theoretical debate
  • Builds on and strengthens existing knowledge with new data

The literature review often becomes the basis for a theoretical framework , in which you define and analyse the key theories, concepts and models that frame your research. In this section you can answer descriptive research questions about the relationship between concepts or variables.

The methodology chapter or section describes how you conducted your research, allowing your reader to assess its validity. You should generally include:

  • The overall approach and type of research (e.g. qualitative, quantitative, experimental, ethnographic)
  • Your methods of collecting data (e.g. interviews, surveys, archives)
  • Details of where, when, and with whom the research took place
  • Your methods of analysing data (e.g. statistical analysis, discourse analysis)
  • Tools and materials you used (e.g. computer programs, lab equipment)
  • A discussion of any obstacles you faced in conducting the research and how you overcame them
  • An evaluation or justification of your methods

Your aim in the methodology is to accurately report what you did, as well as convincing the reader that this was the best approach to answering your research questions or objectives.

Next, you report the results of your research . You can structure this section around sub-questions, hypotheses, or topics. Only report results that are relevant to your objectives and research questions. In some disciplines, the results section is strictly separated from the discussion, while in others the two are combined.

For example, for qualitative methods like in-depth interviews, the presentation of the data will often be woven together with discussion and analysis, while in quantitative and experimental research, the results should be presented separately before you discuss their meaning. If you’re unsure, consult with your supervisor and look at sample dissertations to find out the best structure for your research.

In the results section it can often be helpful to include tables, graphs and charts. Think carefully about how best to present your data, and don’t include tables or figures that just repeat what you have written  –  they should provide extra information or usefully visualise the results in a way that adds value to your text.

Full versions of your data (such as interview transcripts) can be included as an appendix .

The discussion  is where you explore the meaning and implications of your results in relation to your research questions. Here you should interpret the results in detail, discussing whether they met your expectations and how well they fit with the framework that you built in earlier chapters. If any of the results were unexpected, offer explanations for why this might be. It’s a good idea to consider alternative interpretations of your data and discuss any limitations that might have influenced the results.

The discussion should reference other scholarly work to show how your results fit with existing knowledge. You can also make recommendations for future research or practical action.

The dissertation conclusion should concisely answer the main research question, leaving the reader with a clear understanding of your central argument. Wrap up your dissertation with a final reflection on what you did and how you did it. The conclusion often also includes recommendations for research or practice.

In this section, it’s important to show how your findings contribute to knowledge in the field and why your research matters. What have you added to what was already known?

You must include full details of all sources that you have cited in a reference list (sometimes also called a works cited list or bibliography). It’s important to follow a consistent reference style . Each style has strict and specific requirements for how to format your sources in the reference list.

The most common styles used in UK universities are Harvard referencing and Vancouver referencing . Your department will often specify which referencing style you should use – for example, psychology students tend to use APA style , humanities students often use MHRA , and law students always use OSCOLA . M ake sure to check the requirements, and ask your supervisor if you’re unsure.

Your dissertation itself should contain only essential information that directly contributes to answering your research question. Documents you have used that do not fit into the main body of your dissertation (such as interview transcripts, survey questions or tables with full figures) can be added as appendices .

Formatting Guidelines For Theses, Dissertations, and DMA Documents

Guidelines for Formatting Theses, Dissertations, and DMA Documents is intended to help graduate students present the results of their research in the form of a scholarly document.

Before beginning to write a master’s thesis, PhD dissertation, or DMA document, students should read the relevant sections of the  Graduate School Handbook, section 7.8  for dissertations and/ or  section 6.4  for master’s theses.

Candidates for advanced degrees should also confer with their advisors and members of their graduate studies committees to learn about any special departmental requirements for preparing graduate degree documents.

Members of the graduation services staff at the Graduate School are available to provide information and to review document drafts at any stage of the planning or writing process. ACKNOWLEDGMENTS

(OPTIONAL, BUT STRONGLY RECOMMENDED)

Either spelling of the word, acknowledgments or acknowledgments, is acceptable. The acknowledgment is a record of the author’s indebtedness and includes notice of permission to use previously copyrighted materials that appear extensively in the text. The heading Acknowledgments is centered without punctuation at least one inch from the top of the page.

VITA (REQUIRED)

Begin the page with the heading Vita, centered, without punctuation, and at least one inch from the top of the page. There are three sections to the vita: biographical information (required), publications (if applicable), and fields of study (required).

There is no subheading used for the biographical information section. In this section, include education and work related to the degree being received.

Use leader dots between the information and dates. The publication section follows. The subheading Publications should be centered and in title case. List only those items published in a book or journal. If there are none, omit the Publication subheading. The final section of the vita is Fields of Study, which is required. Center the subheading and use title case. Two lines below the Fields of Study subheading, place the following statement: Major Field: [insert only the name of your Graduate Program as it reads on the title page] flush left. Any specialization you would like to include is optional and is placed flush left on the lines below Major Field.

TABLE OF CONTENTS (REQUIRED)

The heading Table of Contents (title case preferred) appears without punctuation centered at least one inch from the top of the page. The listing of contents begins at the left margin four spaces below the heading. The titles of all parts, sections, chapter numbers, and chapters are listed and must

be worded exactly as they appear in the body of the document. The table of contents must include any appendices and their titles, if applicable. Use leader dots between the listed items and their page numbers.

LISTS OF ILLUSTRATIONS (REQUIRED IF APPLICABLE)

Lists of illustrations are required if the document contains illustrations. The headings List of Tables , List of Figures , or other appropriate illustration designations (title case preferred) appear centered without punctuation at least one inch from the top of the page. The listing begins at the left margin four spaces below the heading. Illustrations should be identified by the same numbers and captions in their respective lists as they have been assigned in the document itself. Use leader dots between the listed items and their page numbers. See sample pages .

BIBLIOGRAPHY/REFERENCES (REQUIRED)

Include a complete bibliography or reference section at the end of the document, before the appendix, even if you have included references at the end of each chapter. You may decide how this section should be titled. The terms References or Bibliography are the most commonly chosen titles. The heading must be centered and at least one inch from the top of the page.

Include this heading in the table of contents.

APPENDICES (REQUIRED IF APPLICABLE)

An appendix, or appendices, must be placed after the bibliography. The heading Appendix (title case preferred) centered at least one inch from the top of the page. Appendices are identified with letters and titles. For example: Appendix A: Data. Include all appendix headers and titles in the table of contents.

Other Notes

Candidates are free to select a style suitable to their discipline as long as it complies with the format and content guidelines given in this publication. Where a style manual conflicts with Graduate School guidelines, the Graduate School guidelines take precedence. Once chosen, the style must remain consistent throughout the document.

Top, bottom, left, and right page margins should all be set at one inch. (Keep in mind that the left margin is the binding edge, so if you want to have a bound copy produced for your personal use, it is recommended that the left margin be 1.5 inches.)

It is recommended that any pages with a major header, such as document title, chapter/major section titles, preliminary page divisions, abstract, appendices, and references at the end of the document be set with a 2-inch top margin for aesthetic purposes and to help the reader identify that a new major section is beginning.

The selected font should be 10 to 12 point and be readable. The font should be consistent throughout the document. Captions, endnotes, footnotes, and long quotations may be slightly smaller than text font, as long as the font is readable.

Double spacing is preferred, but 1.5 spacing (1.5 × the type size) is acceptable for long documents. Single spacing is recommended for bibliography entries, long quotations, long endnotes or footnotes, and long captions. Double spacing between each bibliography entry is recommended.

Each major division of the document, including appendices, must have a title. Titles must be centered and have at least a one inch top margin. The use of title case is recommended. If chapters are being used, they should be numbered and titled. For example: Chapter 1: Introduction. Appendices are identified with letters and titles. For example: Appendix A: Data.

PAGE NUMBERS

Every page must have a page number except the title page and the copyright page. If a frontispiece is included before the title page, it is neither counted nor numbered. The page numbers are centered at the bottom center of the page above the one inch margin. Note: You may need to set the footer margin to 1-inch and the body bottom margin to 1.3 or 1.5- inches to place the page number accurately.

Preliminary pages (abstract, dedication, acknowledgments, vita, table of contents, and the lists of illustrations, figures, etc.) are numbered with small Roman numerals (i, ii, iii, iv, etc.). Page numbering begins with the first page of the abstract, and this can be either page i or ii (The title page is technically page i, but the number is not shown on the page).

Arabic numerals are used for the remainder of the document, including the text and the reference material. These pages are numbered consecutively beginning with 1 and continue through the end of the document.

Notation practices differ widely among publications in the sciences, the humanities, and the social sciences. Candidates should confer with their advisors regarding accepted practice in their individual disciplines. That advice should be coupled with careful reference to appropriate general style manuals.

  • Arabic numerals should be used to indicate a note in the text. 
  • Notes may be numbered in one of two ways: either consecutively throughout the entire manuscript or consecutively within each chapter.
  • Notes can be placed at the bottom of the page (footnotes) or at the end of a chapter or document (endnotes). Once chosen, the notation style must be consistent throughout the document.
  • Notes about information within tables should be placed directly below the table to which they apply, not at the bottom of the page along with notes to the text.

ILLUSTRATIONS

Tables, figures, charts, graphs, photos, etc..

Some documents include several types of illustrations. In such cases, it is necessary that each type of illustration (table, figure, chart, etc.) be identified with a different numbering series (Table 1, Table 2, and so on, or Chart 1, Chart 2, and so on). For each series, include a list with captions and page numbers in the preliminary pages (for example, List of Tables, List of Charts, etc.). These lists must be identified with major headings that are centered and placed at the two-inch margin.

Each illustration must be identified with a caption that includes the type of illustration, the number, and a descriptive title (for example, Map 1: Ohio). Numbering may be sequential throughout the document (including the appendix, if applicable) or based on the decimal system (corresponding to the chapter number, such as Map 2.3: Columbus). When using decimal numbering in an appendix, the illustration is given a letter that corresponds with the appendix letter (for example, Figure A.1: Voter Data). Captions can be placed either above or below the illustration, but be consistent with the format throughout the document. If a landscape orientation of the illustration is used, make sure to also orient the illustration number and caption accordingly. The top of the illustration should be placed on the left (binding) edge of the page.

If an illustration is too large to ft on one page it is recommended that you identify the respective pages as being part of one illustration. Using a “continued” notation is one method. For example, the phrase continued is placed under the illustration on the bottom right hand side of the first page. On the following pages, include the illustration type, number, and the word continued at the top left margin; for example, Map 2: Continued. Whatever method you choose just make sure to be consistent. The caption for the illustration should be on the first page, but this does not need repeated on subsequent pages.

If an illustration is placed on a page with text, between the text and the top and/or bottom of the illustration, there must be three single spaced lines or two double spaced lines of blank space. The same spacing rule applies if there are multiple illustrations on the same page. The top/bottom of the illustration includes the caption.

All final Ph.D. dissertations, DMA. documents, and master’s theses are submitted to the Graduate School through OhioLINK at https://etdadmin. ohiolink.edu. The document must be saved in PDF embedded font format (PDF/A) before beginning the upload at OhioLINK. During the submission process, OhioLINK will require an abstract separate from your document. This abstract has a 500-word limit. You will get a confirmation from OhioLINK that the submission is complete. The submission then goes to the Graduate School for review. After it is reviewed by staff of the Graduate School, you will receive an email that it has been accepted or that changes need to be made. If changes are required, you will need to re-submit the revised document via an amended OhioLINK submission. You will receive an “accepted” email from the Graduate School once the document has been approved.

THESIS OR DISSERTATION IN A FOREIGN LANGUAGE

The Graduate School has no policy specifically permitting graduate degree documents to be written in a foreign language. The practice is allowed as long as it is approved by the student’s advisor and Graduate Studies Committee. Documents in a foreign language must comply with the following requirements:

  • The title page must be in English, but the title itself may be in the same language as the document.
  • If the title is in a language using other than Roman characters, it must be transliterated into Roman character equivalents.
  • The abstract must be in English.
  • The academic unit must notify the Graduate School of dissertations in a foreign language so that an appropriate graduate faculty representative can be found to participate in the final oral examination

Dissertation and Theses

The dissertation is the hallmark of the research expertise demonstrated by a doctoral student. It is a scholarly contribution to knowledge in the student’s area of specialization. 

A thesis is a hallmark of some master’s programs. It is a piece of original research, generally less comprehensive than a dissertation and is meant to show the student’s knowledge of an area of specialization.

You may have heard the word thesis as a standalone term or as a component of academic writing called a thesis statement . Keep in mind that these are two very different things.

  • A thesis statement is a very common component of an essay, particularly in the humanities. It usually comprises 1 or 2 sentences in the introduction of your essay , and should clearly and concisely summarize the central points of your academic essay .
  • A thesis is a long-form piece of academic writing, often taking more than a full semester to complete. It is generally a degree requirement for Master’s programs, and is also sometimes required to complete a bachelor’s degree in liberal arts colleges.
  • In the US, a dissertation is generally written as a final step toward obtaining a PhD.
  • In other countries (particularly the UK), a dissertation is generally written at the bachelor’s or master’s level.

The final structure of your thesis depends on a variety of components, such as:

  • Your discipline
  • Your theoretical approach

Humanities theses are often structured more like a longer-form essay . Just like in an essay, you build an argument to support a central thesis.

In both hard and social sciences, theses typically include an introduction , literature review , methodology section ,  results section , discussion section , and conclusion section . These are each presented in their own dedicated section or chapter. In some cases, you might want to add an appendix .

The very first page of your thesis contains all necessary identifying information, including:

  • Your full title
  • Your full name
  • Your department
  • Your institution and degree program
  • Your submission date.

Sometimes the title page also includes your student ID, the name of your supervisor, or the university’s logo. Check out your university’s guidelines if you’re not sure.

The acknowledgements section is usually optional. Its main point is to allow you to thank everyone who helped you in your thesis journey, such as supervisors, friends, or family. You can also choose to write a preface , but it’s typically one or the other, not both.

An abstract is a short summary of your thesis. Usually a maximum of 300 words long, it’s should include brief descriptions of your research objectives , methods, results, and conclusions. Though it may seem short, it introduces your work to your audience, serving as a first impression of your thesis.

A table of contents lists all of your sections, plus their corresponding page numbers and subheadings if you have them. This helps your reader seamlessly navigate your document.

Your table of contents should include all the major parts of your thesis. In particular, don’t forget the the appendices. If you used heading styles, it’s easy to generate an automatic table Microsoft Word.

While not mandatory, if you used a lot of tables and/or figures, it’s nice to include a list of them to help guide your reader. It’s also easy to generate one of these in Word: just use the “Insert Caption” feature.

If you have used a lot of industry- or field-specific abbreviations in your thesis, you should include them in an alphabetized list of abbreviations . This way, your readers can easily look up any meanings they aren’t familiar with.

Relatedly, if you find yourself using a lot of very specialized or field-specific terms that may not be familiar to your reader, consider including a glossary . Alphabetize the terms you want to include with a brief definition.

An introduction sets up the topic, purpose, and relevance of your thesis, as well as expectations for your reader. This should:

  • Ground your research topic , sharing any background information your reader may need
  • Define the scope of your work
  • Introduce any existing research on your topic, situating your work within a broader problem or debate
  • State your research question(s)
  • Outline (briefly) how the remainder of your work will proceed

In other words, your introduction should clearly and concisely show your reader the “what, why, and how” of your research.

A literature review helps you gain a robust understanding of any extant academic work on your topic, encompassing:

  • Selecting relevant sources
  • Determining the credibility of your sources
  • Critically evaluating each of your sources
  • Drawing connections between sources, including any themes, patterns, conflicts, or gaps

A literature review is not merely a summary of existing work. Rather, your literature review should ultimately lead to a clear justification for your own research, perhaps via:

  • Addressing a gap in the literature
  • Building on existing knowledge to draw new conclusions
  • Exploring a new theoretical or methodological approach
  • Introducing a new solution to an unresolved problem
  • Definitively advocating for one side of a theoretical debate

Theoretical framework

Your literature review can often form the basis for your theoretical framework, but these are not the same thing. A theoretical framework defines and analyzes the concepts and theories that your research hinges on.

Your methodology chapter shows your reader how you conducted your research. It should be written clearly and methodically, easily allowing your reader to critically assess the credibility of your argument. Furthermore, your methods section should convince your reader that your method was the best way to answer your research question.

A methodology section should generally include:

  • Your overall approach ( quantitative vs. qualitative )
  • Your research methods (e.g., a longitudinal study )
  • Your data collection methods (e.g., interviews or a controlled experiment
  • Any tools or materials you used (e.g., computer software)
  • The data analysis methods you chose (e.g., statistical analysis , discourse analysis )
  • A strong, but not defensive justification of your methods

Your results section should highlight what your methodology discovered. These two sections work in tandem, but shouldn’t repeat each other. While your results section can include hypotheses or themes, don’t include any speculation or new arguments here.

Your results section should:

  • State each (relevant) result with any (relevant) descriptive statistics (e.g., mean , standard deviation ) and inferential statistics (e.g., test statistics , p values )
  • Explain how each result relates to the research question
  • Determine whether the hypothesis was supported

Additional data (like raw numbers or interview transcripts ) can be included as an appendix . You can include tables and figures, but only if they help the reader better understand your results.

Your discussion section is where you can interpret your results in detail. Did they meet your expectations? How well do they fit within the framework that you built? You can refer back to any relevant source material to situate your results within your field, but leave most of that analysis in your literature review.

For any unexpected results, offer explanations or alternative interpretations of your data.

Your thesis conclusion should concisely answer your main research question. It should leave your reader with an ultra-clear understanding of your central argument, and emphasize what your research specifically has contributed to your field.

Why does your research matter? What recommendations for future research do you have? Lastly, wrap up your work with any concluding remarks.

In order to avoid plagiarism , don’t forget to include a full reference list at the end of your thesis, citing the sources that you used. Choose one citation style and follow it consistently throughout your thesis, taking note of the formatting requirements of each style.

Which style you choose is often set by your department or your field, but common styles include MLA , Chicago , and APA.

In order to stay clear and concise, your thesis should include the most essential information needed to answer your research question. However, chances are you have many contributing documents, like interview transcripts or survey questions . These can be added as appendices , to save space in the main body.

Once you’re done writing, the next part of your editing process begins. Leave plenty of time for proofreading and editing prior to submission. Nothing looks worse than grammar mistakes or sloppy spelling errors!

Once you’ve submitted your final product, it’s common practice to have a thesis defense, an oral component of your finished work. This is scheduled by your advisor or committee, and usually entails a presentation and Q&A session.

After your defense , your committee will meet to determine if you deserve any departmental honors or accolades. However, keep in mind that defenses are usually just a formality. If there are any serious issues with your work, these should be resolved with your advisor way before a defense.

The conclusion of your thesis or dissertation shouldn’t take up more than 5–7% of your overall word count.

If you only used a few abbreviations in your thesis or dissertation , you don’t necessarily need to include a list of abbreviations .

If your abbreviations are numerous, or if you think they won’t be known to your audience, it’s never a bad idea to add one. They can also improve readability, minimizing confusion about abbreviations unfamiliar to your reader.

When you mention different chapters within your text, it’s considered best to use Roman numerals for most citation styles. However, the most important thing here is to remain consistent whenever using numbers in your dissertation .

A thesis or dissertation outline is one of the most critical first steps in your writing process. It helps you to lay out and organize your ideas and can provide you with a roadmap for deciding what kind of research you’d like to undertake.

Generally, an outline contains information on the different sections included in your thesis or dissertation , such as:

  • Your anticipated title
  • Your abstract
  • Your chapters (sometimes subdivided into further topics like literature review , research methods , avenues for future research, etc.)

A thesis is typically written by students finishing up a bachelor’s or Master’s degree. Some educational institutions, particularly in the liberal arts, have mandatory theses, but they are often not mandatory to graduate from bachelor’s degrees. It is more common for a thesis to be a graduation requirement from a Master’s degree.

Even if not mandatory, you may want to consider writing a thesis if you:

  • Plan to attend graduate school soon
  • Have a particular topic you’d like to study more in-depth
  • Are considering a career in research
  • Would like a capstone experience to tie up your academic experience

Introduction to Word for Dissertations

Formatting your dissertation (or thesis) will likely take more time than you expect. But using the special features described in this Guide will save you a great deal of work , particularly if you use our template (available in the box below). The earlier you begin to use these tools, the more time you'll save and the less stress you'll have as your submission deadline approaches. Students at the University of Michigan are also encouraged to contact the experts at the Library's ScholarSpace anytime you run into a problem or have a question.

To meet  Rackham’s Dissertation Formatting Guidelines  you will need to modify the standard settings that Microsoft Word uses. This guide will show you how to use the tools to make the necessary modifications.  While we do follow the requirements from Rackham’s formatting guidelines to demonstrate the tools, in the end, you are responsible for verifying that your document meets the requirements that Rackham sets.

A word about LaTeX

LaTeX is a writing and markup language often used in science and engineering documents because it allows for great control in creating complex equations and formulas. ScholarSpace does not maintain a template for dissertations created with LaTeX, and we can only provide very limited support for it. That said, there is a community of U-M folks who actively maintain  this LaTeX template to keep it in line with Rackham's guidelines .

Can I use Google Docs for my dissertation?

No. Google Docs can get you pretty far down the road to something that looks like what Rackham requires, however, it's going to take a lot more work to get that far, and as you approach the finish line there will be obstacles that Google Docs just won't be able to get around. The issue is that Google Docs was not designed for complicated documents like a thesis or dissertation. To get it to do many of the special things that Rackham requires, you'll have to do a lot of work that Word will just do for you . A few examples:

  • Rackham requires 1" margin on all pages, but a 2" margin at the top of each new section. You'll have to manually adjust every relevant page yourself in Docs to get this, but Word will just do it automatically.
  • Docs gives you three choices for how your Table of Contents will look, none of which are suitable for Rackham. While you can adjust the format, many aspects of it (such as spacing) will revert to the original every time you update it.  With Word, you're in charge of what your ToC looks like.
  • In Docs, you'll have to manually type in your figure numbers ("Figure 3.6") and change them every time you add or move them. But Word will manage numbering and caption placement for you, it will renumber figures or tables as you add or move them, and it will create your List of Figures/Tables automatically – correct page numbers and all. 
  • With Word's figure/table numbering, you can also insert cross-references so when you refer to "(see Figure 4.2)" but then you add some new figures before that, not only will Figure 4.2 renumber itself automatically, but anywhere you've referred to it will be updated, too. No more anxiety about whether you've updated everything accurately.
  • Page numbers: Rackham wants the first two pages to have no page numbers, the rest of the frontmatter to have small roman numerals, and the body of the document to have arabic numerals.  Docs just plain can't do that.

  • Save early , save often, and create backup versions as you go along. Consider setting up Microsoft OneDrive (you have free access with your umich login credentials). With this, you can turn on "Autosave" in Word to automatically save your document at regular intervals.

  • Use our template (available above), it will save you lots of time. Nearly all of the difficult formatting stuff we discuss in this Guide is already built into the template. Consider doing all of your writing in it -- even if you're working in separate files for each chapter, you can use a copy of the template for each one of those chapters.
  • Set the margins including the two-inch margin for chapters titles  ( Setting Margins ) .
  • Define styles for Headings 1-3, Normal, Captions, and Quotes – these are most common; you may need others ( Working with Styles ).
  • If headings need to be numbered (for example, 1.1, 1.2, 2.1, etc.), define a multi-level list ( Automatic Numbering ).
  • If captions need to include the chapter number, define a multi-level list ( Automatic Numbering ).
  • Share your file(s) with your advisors using Track Changes ( Commenting and Reviewing ) .
  • If you use EndNote to manage your citations and create your bibliography, use only one EndNote library for your entire dissertation (see our EndNote Basics guide).

Are you planning to include previously published materials in your thesis? If you do, you need to check the copyright status of those materials and, if necessary, request permission form the copyright owner to re-use them, even if you are the author.

Copyright is a legal protection provided to creators of original works of authorship registered in a tangible medium. It gives copyright owners the exclusive right to copy, distribute, perform, adapt or display their works. Many academic authors transfer their copyright to publishers when they publish a book or an article, which means they might need the publishers’ permission to re-use those materials.

Before requesting permission, check your copyright transfer contract with the publisher to see if they already gave you some rights back, such as the right to re-use the materials in your own publications. If not, check the publisher’s website to find information about “Rights and Permissions”. Most academic publishers have agreements with the Copyright Clearance Center to process those type of requests; it is common to see a link saying “Get permissions” somewhere on the book/article/journal or publisher website. Re-use of materials that you authored on your own thesis is usually free of charge.

If there is no easy link to request permissions on the publisher’s website, you may have to contact them directly. Here is an example of the type of information you should include in your permissions request . Remember to keep all the documentation for your records since you might have to share those permissions when submitting your thesis to UR Research and ProQuest.

The dissertation must be written in English, except where the subject matter demands otherwise, and an exception has been approved by the school’s dean for graduate studies.

  • The narrative of the thesis should be formatted for 8.5 x 11-inch paper in portrait format (text running across the shorter dimension of the page).
  • All margins must be at least 1.25” (one and one-quarter inches), including those on tables, figures, and appendices. Tables or figures may be printed in landscape layout (content running across the longer dimension of the page) if necessary. See page number section for numbering on those pages.
  • Font size must be at least as large as 10-point Arial or 12-point Times New Roman.
  • Fonts in figures and tables may be smaller than 11-point, but all must remain legible when reduced to 50% size.
  • The front matter (abstract, biographical sketch, dedication, contributors and funding sources, table of contents, etc.) and body of the text must be double-spaced.
  • After the title page, each page in the thesis, including pages with tables, figures, references and appendices, must include a page number.
  • Page numbers must be placed in the top margin of each page, preferably in the top right.
  • If you are including any landscape-oriented pages, number all your pages in the upper right corner rather than centered at the top of the page, because at least half the time, the numbers will be in the correct position to appear in the upper outside corner when the thesis is printed double-sided.

Your dissertation should follow the order of the drop-downs below. Click into each drop-down to understand requirements and best practices.

  • Required? Yes
  • The title of the thesis is typed in upper-and lower-case letters. This is to ensure that the words (such as proper names) within the title are capitalized correctly when listed elsewhere.
  • Do not include degrees or credentials of your advisor(s) and do not list other members of your committee. Committee members are listed in the Contributors and Funding Sources page. Include the word ‘Professor’ in front of the name of each advisor on the title page.
  • The name of your department and school appear on the title page. If you are in an interdisciplinary program, list the program name rather than a department, followed by the school(s).
  • Provide the year (but not the month or day) of your expected degree conferral. The degree conferral may, or may not, be the same year as the defense. Please refer to the PhD calendar for completion dates required for each of the five conferral dates through the year.
  • Required? No
  • This is a single statement on itsown page following the title page indicating an individual or group whom you wish to honor by the production of this work. If you include a dedication, it will be numbered as page ii. Acknowledgments are different; see details below.
  • The table of contents needs to include entries for all of the front matter except for the title page and table of contents page. Also include, as part of the front matter, entries for your List of Tables, List of Figures, etc. (if applicable). Following those entries, indicate the title and page numbers of the main divisions or chapters and the major subdivisions or subheading levels. The numbering and wording used in the Table of Contents must match the numbering and wording of the titles and headings in the front matter and text . See above for correct page numbering.
  • You need not include every level of subheading, but if you include any listings from a certain level, you must include all from that level. Levels can be indicated in the table of contents by indenting, numbering or both.
  • The bibliography and any appendices must be listed with their starting page numbers.
  • In one to three paragraphs, provide some basic facts about your scholarly life and career, without including personal data such as birth date. The information listed in this section should be limited to professional experience that is related to the field of the dissertation. These include the colleges and universities attended, the major fields of study at each, and the degrees and academic honors awarded. If you have relevant professional experience such as employment in your career field, you may describe it briefly. Follow this with a description of your work at the University of Rochester, including dates of residence, graduate programs pursued, name(s) of advisor(s), and all university appointments (e.g. fellowships, scholarships, research and teaching assistantships or traineeships). Do not include a complete scientific curriculum vitae or professional resume. Do not include future plans or employment.
  • Follow this narrative with a reference list of all works published or in review for publication during your time at the University, including content or results from the dissertation that have been published in full or in part. This listing may include publications mentioned on the Contributors and Funding Sources page. See that section below on including previously published articles as chapters in the dissertation.
  • Acknowledgments are a statement of appreciation from you to others such as mentors, advisors, colleagues, friends and family, for their support during your doctoral study. Recognition of colleagues’ or mentors’ direct contributions to this work and of awards or funding sources that provided support for the work will appear in a subsequent section on Contributors and Funding Sources.
  • This section does not have to have the same professional information as the biographical sketch.
  • The abstract should present a brief summary of the thesis indicating the purpose, the procedures or methods used, the results or product that was produced, and the conclusions you reached. The abstract should be written very carefully and proofread by your advisor because it will be distributed worldwide by ProQuest®/UMI in the electronic database “Dissertation Abstracts International.” In print indexes, the abstract will be truncated at 350 words, so you may wish to use this as a length limit. Electronic listings will include the full abstract regardless of length.
  • In this section, name all members of the dissertation committee. Then, any collaboration with others in carrying out your dissertation research or in publications reflecting that research must be clearly described, and your independent contributions must be made clear. The sources of financial support for your research must be listed. If you completed all the work independently without outside funding support, indicate this here as well.
  • You may include as chapters or sections in the dissertation your own work that has been previously published elsewhere, as long as that publisher’s copyright permits, and as long as your contribution to multi-authored work is made clear in this section. The dissertation will not be approved if any content is subject to governmental or other restrictions that limit freedom of publication.

  • Books, articles and other materials used in the dissertation should be listed according to the accepted bibliographic practice in the field of your thesis. A single bibliography at the end of the dissertation is preferred. If you list references or a bibliography at the end of each chapter, the first page of each should be listed in the Table of Contents. Bibliographies may be single-spaced.
  • Ethical scholarship requires that you show clearly the sources of the facts and concepts represented in your dissertation, whether published books and articles, unpublished historical documents or theses or personal communication with other workers in the field. The format of this documentation varies by field. Consult with your department and advisor for standard reference procedures in your discipline and apply them consistently. Plagiarism, even if unintentional, can result in forfeit of your degree.

At least six months before you plan to defend your dissertation, you should contact the graduate coordinator of your program for details regarding the submissions defense. During the months leading up to the anticipated defense, your graduate coordinator will walk you through the process and explain any department specific nuances.

You also will want to take full advantage of internal reviews of the dissertation before uploading the thesis for defense registration, in order to minimize the number of errors in the registration version.

Pay careful attention to the five PhD degree cycle deadlines. In each degree cycle, there is a deadline for the last day to complete your degree requirements, consisting of uploading the final abstract and dissertation to ProQuest®, submitting a UR Research authorization form, and completing two required surveys. There are no exceptions to the deadlines.If a deadline is missed, your name cannot be approved by the Council on Graduate Education and presented to the Board of Trustees until the following degree date.

Before the defense is scheduled, your graduate coordinator will need:

  • PDF of the Thesis
  • Names of all committee members
  • Faculty person that has been contacted and confirmed to be the Chairperson
  • Definitive date and time that all committee members have agree upon
  • Name as you would like it to appear on the Diploma
  • Your personal e-mail address that will be active for up to 3 months after graduation date.
  • A complete address to use for commencement and diploma mailings- that will be active for up to 3 months after graduation date.
  • Zoom link, if applicable.

Consider signing up for the University’s Three Minute Thesis competition as another way to prepare. Students are challenged to describe their thesis research to a global audience—in only three minutes.

After the oral defense, each faculty member of each final oral defense committee completes an evaluation of the rigor of the defense process and of the candidate’s degree of achievement of the University’s PhD Learning Outcomes. Because the PhD degree is granted by the University rather than by the individual schools, end-of-program PhD learning outcomes that apply to all disciplines are identified and assessed at the University level.

As part of these learning outcomes, the University PhD graduate must have demonstrated the ability to:

  • Select and defend important problem or topic for study
  • Demonstrate mastery of relevant knowledge in the field
  • Apply rigorous methods of the discipline
  • Produce a valuable product and accurately appraise its importance
  • Communicate effectively in academic writing
  • Effectively defend the work when questioned.

The committee chair will certify the outcome and submit that information the University Graduate Education and Postdoctoral Affairs office.

The student must make all corrections to the dissertation. This includes any identified by the committee, as well as corrections the graduate program staff asked for. A document prefaced with the letters UGE has been saved to the record in the PhD defense registration site.

Once corrections are made and approved as instructed above, the student will create an account and upload the final corrected copy to ProQuest/UMI. The student retains the copyright for the dissertation and it remains the student’s intellectual property.

  • The student will go to this website and create an account. Be sure all information is entered accurately.
  • Complete the ProQuest publishing agreement form.
  • The final uploaded copy in ProQuest is inspected by University Graduate Education staff to be sure all corrections were captured.
  • Complete the UR research authorization form indicating choices for access. Click here for the UR Research Form (Online) .
  • One may limit access to the dissertation for a certain period of time. If that time expires, an email to [email protected] to extend the embargo will be required.
  • Complete the University of Rochester PhD Experience Survey and the National Survey of earned Doctorates . The University Graduate Education office will automatically be notified once these surveys are complete.
  • The ratings and related comments from both students and faculty are analyzed by University Graduate Education at least annually, in aggregated and de-identified form. Results are reported to the University Council on Graduate Studies and leaders of graduate programs to inform program improvements.

Please view your school academic calendars to understand the specific registration dates and requirements for graduation. Links to academic calendars are available on this page .

Once a student completes all these steps, they will receive a confirmation email from Proquest and a confirmation email from the University.

The Graduate Education and Postdoctoral Affairs office will be in contact to confirm correct name spelling on the diploma and to collect a valid mailing address that will be good for 6-8 weeks. If a student has a U.S. address, the diploma will be mailed directly from the company via USPS. If the student supplies an international address, we will receive the diploma and mail it back out with tracking information to the student.

Each of these processes is taking longer than expected because of the current COVID-19 mailing conditions.

In general, you will receive your electronic diploma about a week after you graduate and it will take another 6-8 weeks to receive the paper copy. Diplomas are mailed to the graduate in tubes.

What Exactly Is A Dissertation (Or Thesis)?

If you’ve landed on this article, chances are you’ve got a dissertation or thesis project coming up (hopefully it’s not due next week!), and you’re now asking yourself the classic question, “what the #%#%^ is a dissertation?”…

In this post, I’ll break down the basics of exactly what a dissertation is, in plain language. No ivory tower academia.

So, let’s get to the pressing question – what is a dissertation?

A dissertation (or thesis) = a research project

Simply put, a dissertation (or thesis – depending on which country you’re studying in) is a research project . In other words, your task is to ask a research question (or set of questions) and then set about finding the answer(s). Simple enough, right?

Well, the catch is that you’ve got to undertake this research project in an academic fashion , and there’s a wealth of academic language that makes it all (look) rather confusing (thanks, academia). However, at its core, a dissertation is about undertaking research (investigating something). This is really important to understand, because the key skill that your university is trying to develop in you (and will be testing you on) is your ability to undertake research in a well-structured structured, critical and academically rigorous way.

This research-centric focus is significantly different from assignments or essays, where the main concern is whether you can understand and apply the prescribed module theory. I’ll explain some other key differences between dissertations or theses and assignments a bit later in this article, but for now, let’s dig a little deeper into what a dissertation is.

A dissertation (or thesis) is a process.

Okay, so now that you understand that a dissertation is a research project (which is testing your ability to undertake quality research), let’s go a little deeper into what that means in practical terms.

The best way to understand a dissertation is to view it as a process – more specifically a research process (it is a research project, after all). This process involves four essential steps, which I’ll discuss below.

The research process

Step 1 – You identify a worthy research question

The very first step of the research process is to find a meaningful research question, or a set of questions. In other words, you need to find a suitable topic for investigation. Since a dissertation is all about research, identifying the key question(s) is the critical first step. Here’s an example of a well-defined research question:

“Which factors cultivate or erode customer trust in UK-based life insurance brokers?”

This clearly defined question sets the direction of the research . From the question alone, you can understand exactly what the outcome of the research might look like – i.e. a set of findings about which factors help brokers develop customer trust, and which factors negatively impact trust.

But how on earth do I find a suitable research question, you ask? Don’t worry about this right now – when you’re ready, you can read our article about finding a dissertation topic . However, right now, the important thing to understand is that the first step in the dissertation process is identifying the key research question(s). Without a clear question, you cannot move forward.

Step 2 – You review the existing research

Once the research question is clearly established, the next step is to review the existing research/literature (both academic and professional/industry) to understand what has already been said with regard to the question. In academic speak, this is called a literature review .

This step is critically important as, in all likelihood, someone else has asked a similar question to yours, and therefore you can build on the work of others . Good academic research is not about reinventing the wheel or starting from scratch – it’s about familiarising yourself with the current state of knowledge, and then using that as your basis for further research.

Simply put, the first step to answering your research question is to look at what other researchers have to say about it. Sometimes this will lead you to change your research question or direction slightly (for example, if the existing research already provides a comprehensive answer). Don’t stress – this is completely acceptable and a normal part of the research process.

Step 3 – You carry out your own research

Once you’ve got a decent understanding of the existing state of knowledge, you will carry out your own research by collecting and analysing the relevant data. This could take to form of primary research (collecting your own fresh data), secondary research (synthesising existing data) or both, depending on the nature of your degree, research question(s) and even your university’s specific requirements.

Exactly what data you collect and how you go about analysing it depends largely on the research question(s) you are asking, but very often you will take either a qualitative approach (e.g. interviews or focus groups) or a quantitative approach (e.g. online surveys). In other words, your research approach can be words-based, numbers-based, or both . Don’t let the terminology scare you and don’t worry about these technical details for now – we’ll explain research methodology in later posts .

Step 4 – You develop answers to your research question(s)

Combining your understanding of the existing research (Step 2) with the findings from your own original research (Step 3), you then (attempt to) answer your original research question (s). The process of asking, investigating and then answering has gone full circle.

Of course, your research won’t always provide rock-solid answers to your original questions, and indeed you might find that your findings spur new questions altogether. Don’t worry – this is completely acceptable and is a natural part of the research process.

So, to recap, a dissertation is best understood as a research process, where you are:

  • Ask a meaningful research question(s)
  • Carry out the research (both existing research and your own)
  • Analyse the results to develop an answer to your original research question(s).

Dissertation Coaching

Depending on your specific degree and the way your university designs its coursework, you might be asking yourself “but isn’t this just a longer version of a normal assignment?”. Well, it’s quite possible that your previous assignments required a similar research process, but there are some key differences you need to be aware of, which I’ll explain next.

Same same, but different…

While there are, naturally, similarities between dissertations/theses and assignments, its important to understand the differences  so that you approach your dissertation with the right mindset and focus your energy on the right things. Here, I’ll discuss four ways in which writing a dissertation differs substantially from assignments and essays, and why this matters.

Difference #1 – You must decide (and live with) the direction.

Unlike assignments or essays, where the general topic is determined for you, for your dissertation, you will (typically) be the one who decides on your research questions and overall direction. This means that you will need to:

  • Find a suitable research question (or set of questions)
  • Justify why its worth investigating (in the form of a research proposal )
  • Find all the relevant existing research and familiarise yourself with the theory

This is very different from assignments, where the theory is given to you on a platter, and the direction is largely pre-defined. Therefore, before you start the dissertation process, you need to understand the basics of academic research, how to find a suitable research topic and how to source the relevant literature.

You make the choices

Difference #2 – It’s a long project, and you’re on your own.

A dissertation is a long journey, at least compared to assignments. Typically, you will spend 3 – 6 months writing around 15,000 – 25,000 words (for Masters-level, much more for PhD) on just one subject. Therefore, successfully completing your dissertation requires a substantial amount of stamina .

To make it even more challenging, your classmates will not be researching the same thing as you are, so you have limited support, other than your supervisor (who may be very busy). This can make it quite a lonely journey . Therefore, you need a lot of self-discipline and self-direction in order to see it through to the end. You should also try to build a support network of people who can help you through the process (perhaps alumni, faculty or a private coach ).

Difference #3 – They’re testing research skills.

We touched on this earlier. Unlike assignments or essays, where the markers are assessing your ability to understand and apply the theories, models and frameworks that they provide you with, your dissertation will be is assessing your ability to undertake high-quality research in an academically rigorous manner.

Of course, your ability to understand the relevant theory (i.e. within your literature review) is still very important, but this is only one piece of the research skills puzzle. You need to demonstrate the full spectrum of research skills.

It’s important to note that your research does not need to be ground-breaking, revolutionary or world-changing – that is not what the markers are assessing. They are assessing whether you can apply well-established research principles and skills to a worthwhile topic of enquiry. Don’t feel like you need to solve the world’s major problems. It’s simply not going to happen (you’re a first-time researcher, after all) – and doesn’t need to happen in order to earn good marks.

Difference #4 – Your focus needs to be narrow and deep.

In your assignments, you were likely encouraged to take a broad, interconnected, high-level view of the theory and connect as many different ideas and concepts as possible. In your dissertation, however, you typically need to narrow your focus and go deep into one particular topic. Think about the research question we looked at earlier:

The focus is intentionally very narrow – specifically the focus is on:

  • The UK only – no other countries are being considered.
  • Life insurance brokers only – not financial services, not vehicle insurance, not medical insurance, etc.
  • Customer trust only – not reputation, not customer loyalty, not employee trust, supplier trust, etc.

By keeping the focus narrow, you enable yourself to deeply probe whichever topic you choose – and this depth is essential for earning good marks. Importantly, ringfencing your focus doesn’t mean ignoring the connections to other topics – you should still acknowledge all the linkages, but don’t get distracted – stay focused on the research question(s).

Keep a narrow focus

So, as you can see, a dissertation is more than just an extended assignment or essay. It’s a unique research project that you (and only you) must lead from start to finish. The good news is that, if done right, completing your dissertation will equip you with strong research skills, which you will most certainly use in the future, regardless of whether you follow an academic or professional path.

Notes From a Writer's Desk: Demystifying the Dissertation Finish Line

As a doctoral candidate in your final year, you’re likely juggling various responsibilities—finishing the dissertation, navigating the job market, completing lab work, possibly teaching, and trying to maintain some semblance of a personal life. In these last few months of the dissertation process, the journey can range from feeling like a well-oiled machine to experiencing well-ordered chaos. Amidst this whirlwind, it is crucial to establish clear expectations with your committee and prioritize tasks to ensure success on the road to graduation. As you try to manage your academic and personal obligations, a primary step is to plot out your remaining time and strategize how to allocate that time effectively. Consider breaking down your time into reasonable chunks, dedicating specific periods to producing the final draft(s) and making revisions, preparing for the defense, and formatting your dissertation document for submission.

Final draft(s) and revisions

Take inventory of the revisions you still need to make for your dissertation. Prioritize tasks based on their importance and feasibility within your timeline. For example, you may need to incorporate additional critical literature into various chapters, clean up citations and your bibliography, build in transitions that move between chapters, alter the structure of a couple of sections within a chapter, and/or hone the framing of your goals and argument(s) in your introduction. Set aside specific time for each of these revisions, thinking about which ones will require the most attention and which you can accomplish when you are less focused. Furthermore, seek out feedback from your advisor and committee members to ensure that your work meets the prescribed standards. Remember that maintaining clear communication with your advisor is essential for a smoother final stretch, especially if you find yourself needing to make compromises in order to meet deadlines. 

Preparing for the defense

Depending on your department’s requirements, the dissertation defense may take various forms. Many defenses will be public presentations, in which the candidate is given the chance to present their research to an audience of peers, members of the faculty, and their committee. Others might be a private final conversation with your committee. Reach out to the committee and to your department administrator to make sure that you are all on the same page. But no matter what kind of defense you have, preparation is key. Practice your presentation (perhaps with us at the FWC!), anticipate potential questions, identify areas you hope to improve upon or develop further in future iterations of the project, and ensure that you are well-versed in discussing and defending your research. Finally, make sure to schedule your defense with ample time before the submission deadline—ideally two or three weeks—to allow you to address any late-stage revisions, including crucial questions that might be brought up at the defense itself.

Submission process

Staggering the defense and submission dates will also provide sufficient time to format your dissertation according to the  registrar’s guidelines . Familiarizing yourself with the formatting requirements early on in the process will help minimize stress during the brief post-defense period. Pay close attention to the guidelines regarding the Dissertation Acceptance Certificate (DAC) and the document’s front matter, including the title page, copyright page, abstract, table of contents, acknowledgements, and any lists of illustrations or figures you may require. Strive to submit your dissertation earlier than the deadline just in case you need to make minor adjustments based on feedback from the registrar.

Long-term considerations

Remember to think carefully about your long-term plans for the material in your dissertation. Are you planning to revise the entire dissertation for publication as a monograph? Or are you going to publish elements of it in a series of articles? Should you embargo your work, and if so, for how long? This should also prompt some reflection on how your dissertation will fit into your broader academic and professional goals.

As you approach the dissertation finish line, remember that it is not just about reaching the end and checking that last box. It should be a celebration of your academic journey and the achievements you have amassed along the way. By formulating a well-structured plan, you can navigate these last few months with confidence and alleviate at least some of the stresses of the home stretch. And trust me, once you hit the submit button and get that final confirmation email—after, of course, the inevitable email asking you to fix a formatting issue—you will feel an immense weight lifted from your shoulders.
