Why are we doing this? • Improve your communication with teammates • Set expectations with each other • Improve team functioning • Bond with your team

This all seems too obvious… • It may seem obvious to select a medium that matches your synchronicity needs, but… • 98% of all student communication was through email (Lam, 2013)

What is media synchronicity theory? • Media Synchronicity Theory (MST) (Dennis, et al., 2008) synchronicity as a predictor of communication performance • Synchronicity is defined as a “state in which individuals are working together at the same time with a common focus.” • MST focuses on the capability of media to support synchronicity.

Five important media capabilities • Transmission velocity- How fast will the message get to the receiver? • Parallelism- How many transmissions can be sent simultaneously? • Symbol sets- what are the different ways of encoding a message? • Rehearsability – Can you edit or fine tune a message before sending it? • Reprocessability- Can you retrieve a message again in order to process the information further?

Let’s practice • How synchronous are the following? • Phone call? • Face-to-face meeting? • Text message? • Chat or IM? • Email? • Discussion board post?

According to MST • There is no “best” medium • Texting isn’t better than IM or email, for example • Instead there is a “best fit” for certain situations • This is especially important when you think about communicating with your team members • Remember, almost ALL students default to email. While email is a great “fit” for some instances, it’s not for others

How to determine “fit” • Consider your feedback needs. • Do you need immediate feedback? • Can you wait to have a discussion? • Consider the communication context. • Is it new information that requires considerable discussion? • Is it familiar information that requires less discussion? • Consider social circumstances. • Have you agreed upon using certain mediums for certain tasks? • What is appropriate? (Is it 4am and a text would wake up your teammate?)

Step 1: Considering your feedback needs • If you need Immediate Feedback, consider a synchronous medium • Text message • IM/Chat • Phone call • Video conference • Face-to-face meeting • Other? • If you don’t need immediate feedback, consider a less synchronous medium • Email message • Social media message • Discussion board posting • Other?

Step 2: Considering the Context What are the characteristics of the communication process? • Is it new and complicated? • Use a medium that allows you to have a detailed discussion (e.g., face-to-face, video conference, IM) • Is it familiar information? • Use a medium that doesn’t require as much set up time (e.g., texting) • Do you need to record the content for a later date? • Use a medium that allows for recording (e.g., avoid phone or video conference) • Mixed situation? • Consider multiple mediums. For example, send a text and then a follow-up email.

Step 3: considering other social factors • Have you agreed on a particular medium? • If you’ve agreed to use gchatfor group discussions, then use it. However, you may have to use an additional medium that can notify everyone to join gchat (like a text). • What are the social norms? • E.g., Is it appropriate to initiate a video chat at 2 AM?

Let’s look at some examples • Consider synchronicity needs, communication process, and other social factors. • Scenario: It’s 6pm on Thursday afternoon. You won’t see your group again until the next Monday. You want to make sure John is almost done with the outline that is due on Monday. Answer the following: • Do you need (or want) immediate feedback? • Is the information complicated or simple? Should it be saved or recorded? • Do you know what medium John prefers or will most likely use? Based on those answers, what medium did you choose?

More examples • Consider synchronicity needs, communication process, and other social factors. • Scenario: It’s 9pm on Sunday afternoon. You won’t see your group until Monday. You want to contact John so that you can get the outline and edit it before class Monday. Answer the following: • Do you need (or want) immediate feedback? • Is the information complicated or simple? Should it be saved or recorded? • Do you know what medium John prefers or will most likely use? Based on those answers, what medium did you choose?

Even more examples • Consider synchronicity needs, communication process, and other social factors. • Scenario: It’s 1 hour after class just ended. You have met with your group and divided all the work up until you meet again in two days. You suddenly realized that no one has volunteered to complete the audience analysis. Answer the following: • Do you need (or want) immediate feedback? • Is the information complicated or simple? Should it be saved or recorded? • Do you know what medium John prefers or will most likely use? Based on those answers, what medium did you choose?

Final example • Consider synchronicity needs, communication process, and other social factors. • Scenario: Your final project is due Monday. It’s Sunday afternoon and you need a group decision on the final report. Each team member has a different section and you are in charge of putting all of the sections into one single document. Answer the following: • Do you need (or want) immediate feedback? • Is the information complicated or simple? Should it be saved or recorded? • Do you know what medium John prefers or will most likely use? Based on those answers, what medium did you choose?

Conclusion • Choosing the right medium is a matter understanding the situation • Don’t forget to consider synchronicity, process,and social factors • Don’t forget your communication contract

2 Japanese navy helicopters crash in the Pacific Ocean during training, leaving 1 dead and 7 missing

TOKYO — Two Japanese navy helicopters carrying eight crew members crashed in the Pacific Ocean south of Tokyo during a nighttime training flight after possibly colliding with each other, the country’s defense minister said Sunday. One crew member who had been recovered from the waters was later pronounced dead, while rescuers searched for seven others who were still missing.

The two SH-60K choppers from the Maritime Self-Defense Force were carrying four crew each and lost contact late Saturday near Torishima island about 600 kilometers (370 miles) south of Tokyo, Defense Minister Minoru Kihara told reporters.

The cause of the crash was not immediately known, but officials believe the two helicopters “highly likely” collided with each other before crashing into the water, Kihara said.

He added his ministry will suspend training flights for all SH-60s for now.

The navy chief of staff, Adm. Ryo Sakai, said the trainings will be suspended until the accident’s cause is determined and preventive measures are adopted.

Rescuers have recovered a flight data recorder, a blade from each helicopter, and fragments believed to be from both choppers in the same area, signs that the two SH-60Ks were flying close to each other, Kihara said. Officials will analyze the flight data to try to determine what led to the crash.

Search and rescue efforts for the missing crew were expanded Sunday, with the MSDF and Air Self-Defense Force together deploying 12 warships and seven aircraft. Japan Coast Guard patrol boats and aircraft also joined the operation.

U.S. Ambassador to Japan Rahm Emanuel said in a message on social platform X that the U.S. had offered to help with the search and rescue.

“We will stand together, side by side, with our friend and ally, Japan. My thoughts are with the crew members, and their families and friends during this challenging time,” he said.

The helicopters, twin-engine, multi-mission aircraft developed by Sikorsky and known as Seahawks, were modified and produced in Japan by Mitsubishi Heavy Industries. They were on nighttime anti-submarine training in the waters, Kihara said. One lost contact at 10:38 p.m. (1338 GMT) and sent an automatic emergency signal a minute later. They lost contact about 270 kilometers (150 nautical miles) east of Torishima island.

Only one distress signal called an emergency locator transmitter was heard — another sign the two helicopters were near the same place, because their signals use the same frequency and could not be differentiated, Kihara said.

One helicopter belonged to an air base in Nagasaki, and the other to a base in Tokushima prefecture.

The SH-60K aircraft is usually deployed on destroyers for anti-submarine warfare, but is also used for search and rescue and other missions. Japan has about 70 of the modified helicopters.

Saturday’s training only involved the Japanese navy and was not part of a multinational exercise, defense officials said. They said no foreign aircraft or warships were spotted in the area.

Japan, under its  2022 security strategy,  has been accelerating its military buildup and fortifying deterrence in the southwestern Japanese islands in the Pacific and East China Sea to counter threats from China’s increasingly assertive military activities. Japan in recent years has conducted its own extensive naval exercises as well as joint drills with its ally the United States and other partners.

The navy chief of staff said Saturday’s training was part of routine anti-submarine warfare drills involving MSDF warships, submarines and Seahawks.

The crash comes a year after a Ground Self-Defense Force  UH-60 Blackhawk crashed  off the southwestern Japanese island of Miyako, due to an engine output problem known as “rollback,” leaving all 10 crew members dead, which shocked the nation. In 2017, a Japanese navy SH-60J, an earlier generation Seahawk, crashed during a nighttime flight training off Aomori due to human error.

Saturday’s crash and possible collision also recalled a July 2021 nighttime training off the southern island of Amamioshima, where two SH-60s had a minor collision, both suffering blade damage, but causing no injuries.

Following that collision, the MSDF introduced a set of preventive measures. Sakai said Saturday’s crash could have been prevented if all those measures were adequately followed.

In the U.S., a fatal crash of a MH-60S Seahawk during training off California in 2021 was attributed to mechanical failure from unsuspected damage during maintenance, according to the Navy.

Japan’s NHK public television said no weather advisories were issued in the area at the time of Saturday’s crash.

Former British spy in IRA who allegedly admitted murder will not be prosecuted

Exclusive: Ex-double agent allegedly admitted to murder during training presentations to members of the security services

Victims’ families have reacted with anger after it emerged that a former British double agent in the IRA who allegedly admitted to murder while giving training presentations to members of the security services will not be prosecuted.

The case had emerged during an investigation by officers into the activities of the British spy known as Stakeknife and a criminal file was passed to the prosecution service of Northern Ireland .

According to the officers, the agent, who is not Stakeknife, had assisted the British security forces by giving lectures to “new agent handlers and other security force personnel” after being resettled outside Northern Ireland.

The training presentations included alleged admissions to serious criminal offences, including murder, but the British agent was not investigated or charged at the time for any crime.

The case was subsequently investigated by officers working under chief constable Jon Boutcher, who until March this year led Operation Kenova’s inquiries into Stakeknife, a notorious agent named in 2003 as former IRA security enforcer Freddie Scappaticci.

A file on the alleged admissions of the agent during his training presentations was one of 35 passed to Northern Ireland’s prosecution service but it has now been dropped.

A spokesperson for Northern Ireland’s public prosecution service (PPSNI) said they had decided against charges with regard to the case on “evidential grounds”.

A PPSNI spokesperson said: “We received an investigation file, and after careful consideration of all available evidence, a decision not to prosecute was taken on evidential grounds. We are unable to make any further comment in relation to this matter.”

Kevin Winters, who represents the families of victims affected by the activities of British agents in the IRA, said the failure to prosecute the individual was “seismic in significance”.

He said: “What does it say about the state of our criminal justice system when something so obviously criminal isn’t the subject of a major prosecution and I include within that the security forces attendees listening to such admissions? It is beyond farcical and plumbs new depths of injustice.

“Having just learned of this news we ought to be shocked but, to be blunt, we aren’t. The latest decision is entirely consistent with all other similar decision-making to date.”

Winters is seeking a judicial review of the prosecution service decision not to prosecute anyone over the 1983 murder of Anthony Braniff, 22, who was falsely accused by the IRA of being a British informant.

He said of the latest development: “This will be added into our pending high court judicial review challenge against the PPS.”

A Kenova spokesperson confirmed that a full investigation had been carried out into the allegations.

Operation Kenova was launched seven years ago but, after 1,000 witness statements, 50,000 pages of evidence and £40m, there is yet to be a conviction.

Officers have examined 101 murders and abductions associated with the IRA’s “nutting squad”, a unit in which Scappaticci was a leading figure responsible for interrogating and torturing those suspected of passing information to the British security services.

The IRA unit was thoroughly penetrated by the British security services.

Operation Kenova found that “preventable and serious crimes took place” and that these included “murders committed by agents, including cases in which one agent murdered another”, according to an interim report published in March.

Officers found “no evidence to suggest that the authorities considered holding these agents liable for their criminal acts”.

Boutcher, a former chief constable of Bedfordshire police who has recently become chief constable of the Police Service of Northern Ireland, had published his report due to the slow progress of prosecutions.

He wrote at the time that he was “aware of the strength of evidence in many of those cases and believe timely prosecution decisions are vital to retain public confidence”.

Boutcher noted the difficulties of legacy prosecutions but he was also highly critical of the lack of capacity at the prosecution service to deal with such cases, writing that the organisation lacked “a sufficiently resourced specialist unit capable of dealing with the high volume of extremely complex legacy casework which it faces.”

“PPSNI has not had the funding to deliver the legal process to achieve best and timely outcomes for families in Northern Ireland,” he wrote.
