How to create a business card in word

Step 1: pick a template.

First, open Microsoft Word. Choose File > New. From here, you can search for Microsoft Word templates. While making your selection, remember: when using Word 2013, make sure the template you select is compatible with the current version. If it has deprecated elements, it may harm your computer or not display correctly.

While you can add shapes directly to a page in Word, you may want to contain them within a Drawing Canvas instead. A canvas acts as a container for your flowchart, so instead of moving each element individually, you can position a chart with a single click. Canvases can also be styled to add polish to your flowchart. To insert a canvas, click the Insert tab and select Shapes. Scroll to the bottom of the panel and click the menu item labeled “New Drawing Canvas.”

Step 2: Add your information

The template we’ve selected is fairly straightforward: it includes colorful blocks, the company name, and contact information, which are the basics you need for a business card.

Now we fill in the personal information. Don’t forget to proofread every detail on the card. It’s a good idea to have a friend or colleague take a look at your business card template to catch any typos you may have missed. Here’s what the card looks like with default fonts and colors.

Step 3: Customize Your Card

If you want your business card to be more personalized than the template, it doesn’t take much to adjust the fonts, colors, and shapes to reflect your style. We’ve changed the company name to a serif font, and the contact information to a sans serif one.

Try adding a shadow to the shapes. Right click on your shape, then select Format Shape. This will bring up a formatting panel on the right side of your canvas. You can also click on the Format tab to expand options for your shape. Here, we’ve done a drop shadow on all three shapes. This is what the card looks like now:

The default colors use warm shades—vermillion, green, and beige. You may decide that cool colors would better project your desired image. To use preset color themes, select the Design tab.

Step 4: Make a sheet of business cards

Depending on how up-to-date your template is, it might auto-populate to update every card to match. If you’re using an older template, simply copy and paste the information from one card into every other slot. Here’s what a sheet of business cards looks like in Microsoft Word when completed.

How to Make Your Own Flashcards in Word 

Flashcards are a wonderful learning tool both for children and adults, but writing each one by hand can be time consuming. With Microsoft Word you can make your own flashcards and print them out ready to use.

While older versions of Microsoft Word had simple flashcard or index card templates, it seems those templates were no longer available as of Word 2016. No need to fret because making flashcards on Word is still easy to do, and you can save your flashcards as a template as well. 

Open Microsoft Word and select a new blank document .

Click Layout Tab , this is going to allow you to resize the page into a more proper flashcard size.

Under Layout > Orientation , select Landscape .

In Layout > Size , select 4”x 6” size. This will give you the perfect size for printable flashcards. 

Type out what you want the card to say and press Ctrl + Enter to create a new card. This is where you write the response for the first card if necessary or create a new card. 

Also, remember you can go to the Design tab and add a theme, colors, and effects to the flashcards if you need them to stand out a bit or make them colorful.

This is also a great tool for teachers to create flashcards for their students without having to spend their already limited amount of time and resources making them.

How to Make Index Cards from the Envelopes & Labels Printing Settings

Another easy way to make index cards is by using the envelopes and labels printing settings in Microsoft Word 2016. Here’s what you need to do:

Start with a blank document in Word and go to the Mailings tab.

 Select the Labels option in the top left of the Mailings tab.

A window will open up, click the Labels tab, and select the Options button.

Now select Index Cards from the menu. To the right of the selection, you will see the measurements for the index card. 

Printer Settings for Flashcards on Word 

Now that you are done creating the cards, it’s time to have them all printed out. If you have the style of flashcards where you need one side with a question or statement and the opposite side to have the answer, then you will want to turn on double-sided printing. If you just need to have the information or image printed on one side of the card, then make sure you have double-sided printing turned off. 

Go to File > Print . Now just choose the size you selected for the cards: 3.5 x 5 or 4x6. You might want to select Narrow Margins for the flash cards.

Save the Flashcards as a Microsoft Word Template

Even though the steps to create flashcards are simple to follow, it will make life easier if you just save this file as a template. This way, you can always jump right into the formatted document and just insert the new information you need for the new index cards.

To insert a signature in Word , scan and insert a signature image into a new Word document and type your information beneath it. Select the signature block and go to  Insert  >  Quick Parts  >  Save Selection to Quick Part Gallery . Name the signature. Select  AutoText  >  OK .

To delete a page in Microsoft Word , select View , then go to the Show menu and select Navigation Pane . In the left pane, choose the page you want to delete and press the delete/backspace key.

To check the word count in Microsoft Word , look at what's displayed in the Status Bar at the bottom of the screen. If you don’t see the number of words, right-click the Status Bar and choose Word Count .

If you're hosting a get-togethers, a small celebration at home, or a birthday party, you might want to send informal invitations to your friends and family. This type of invitation can be done right in Microsoft Word. It provides you the option to create customized invitations using a large variety of layout tools and templates, and then you can just print it out. Not only will you save money on these invitations, but it'll have your personal touch.

Making an Invitation Using Word Template

Step 1 Open a new Word document.

  • Most templates will have graphics and art on it. You can adjust this to your liking by clicking on it and dragging the image around, or replace it with an image or art you want by using the Insert Picture feature of Word.

Step 6 Save the invitation.

  • Saving as Word 97-2003 Document will make your invitation compatible with all MS Word versions. Now you can print the invitation by using your own printer at home, or save the file in a flash drive and take it to a professional printing shop.

Making an Invitation Using a Blank Word Document

Step 1 Open a new Word document.

  • If you already have the picture or graphics you want to use saved in your computer, use “Insert Picture.” A file explorer will open where you can locate the image to insert. Use “Insert Clip Art” to check out available clipart in MS Word. Double-click on a clipart to insert it into the document.
  • Once the image or clipart is inserted, you can move it around by dragging it to the location you want to place it, or resize it by dragging its borders to the size you want.

Step 3 Add text.

  • To create a Text Box, click “Insert” at the top, and then “Text Box.” It's between “Page number” and “Quick Parts.” Select a Text Box style from the drop-down menu, and then enter the information you want into the box that appears on the document.
  • Whether using the Text Box or just typing in the information, you can change the text font and size, as well as use boldface, italics, and underlines. You can also change the text color using the options under the Home tab at the top.
  • Make sure that the event information is provided in the invitation, like the event name, date, time, venue, and other details.

Step 4 Save the invitation.

You don’t even need to learn any software for designing. Microsoft Word can already fulfill your basic need to make a card .

1. The first step is apparently to set the page in Word. Click Layout tab, switch Orientation of page to Landscape .

Copilot Pro is Microsoft’s AI subscription service that costs $20 per month for individuals and is integrated into the brand’s Microsoft 365 suite. The paid service offers unique features to Microsoft users, provides faster and more consistent AI performance with priority access to the GPT-4 and GPT-4 Turbo large language models (LLM) during peak times, and also brings the AI technology to the brand’s most popular PC applications — and that’s where things get really interesting.

Here are some of the best features on Copilot Pro and how they work.

One of the most interesting features of Copilot Pro is that you can build your own custom GPT within the AI service, meaning you can create and edit a unique chatbot to do your bidding. You can create your chatbot as a personal trainer, a chef, a language tutor, a language adviser, or a career coach, among many other personalized ideas. You can do so by accessing the Microsoft Copilot GPT Builder at copilot.microsoft.com and signing in using your Microsoft account (such as outlook.com).

Follow the setup steps included there to get started building your custom GPT. Because it is a GPT environment, you essentially need only to input the text parameters of your chatbot to begin training it. There are also instructions on how to edit the GPT, if needed. For the best results, complete the steps in the Microsoft Edge browser.

Because Copilot Pro is a paid service, it benefits from OpenAI’s latest DALL-E 3 image model, which can generate images from more elaborate text descriptions or generate from other images. It also has upgraded editing abilities. Much of the image generation for the brand’s AI subscription service takes place within the Microsoft Designer tool.

Within Copilot Pro, you can generate up to 100 images per day and have the option to create images in either landscape or square. This is a massive upgrade in comparison to the free version, which allows 15 generations per day and square images only.

A very fascinating part of Microsoft’s Copilot Pro is you can use the brand’s AI service in conjunction with other popular programs, such as the Microsoft 365 suite. The Copilot Pro chatbot and icon are integrated into all of these apps, including Word, Excel, PowerPoint, OneNote, and Outlook. Typically, you must have a separate Microsoft 365 subscription to access Microsoft Copilot Pro features in tandem with the apps of that service on PCs. However, to access the features without having to invest in a Microsoft 365 subscription, you can use Microsoft 365 apps through the web apps at no extra cost.

Creating presentations in Microsoft PowerPoint is a popular productivity option in the Microsoft 365 suite. Adding Copilot Pro makes the function as simple as typing a sentence. Once you’re in PowerPoint, you go to the Home tab to open the drop-down menu. This reveals the Copilot button in the upper-right corner. Click it to open the Copilot menu on the right side of the PowerPoint window.

Click Create a Presentation, type your prompt, and it will begin to generate the slides of your presentation. You can add a slide, ask questions prompts, and edit the text of your prompt to improve your presentation. You also have access to the Microsoft Designer tab in the drop-down menu, which gives you creative options for your slide within PowerPoint, since you can’t use prompts to make creative edits within Copilot. There is also the Copilot Labs section for generating ideas.

Excel is an extremely useful app for professionals who need to crunch numbers and simplify statistics. Copilot Pro can calculate, analyze, and present your figures and graphs in a manner that is easy to decipher. Once in Excel, you can access the Copilot button in the upper-right corner of the drop-down menu. If you are using Excel online, you may see a notice that says it only works with Excel table, but all of the AI functionalities are actually still intact.

If you have a file with some figures, you can highlight some text and Copilot Pro will give you some prompt ideas (such as show formula suggestions, highlight filter, sort data, and bold the first column) that you can select and will make up the entirety of your prompt once you’re done. These details will not only be the information but the look and feel of your results.

Select Ask for Insights and Excel will generate the tables and graphs with all of your data laid out. Select another insight or All insights for a more complete look at your information. Alternatively, you can enter a prompt in Copilot Pro with the parameters you desire.

Word is one of the most used apps in the Microsoft 365 suite and Copilot Pro introduces several automated features into the word processors. Before even launching Copilot Pro within Microsoft Pro, you can highlight blocks of text within Word and a Copilot icon will appear on the left of the text, indicating that it can be edited by the chatbot. Right-click the highlighted text with your mouse and you can select the options, rewrite with Copilot, or visualize as a table. It will do those functions in the text area without having to execute a prompt.

You can also access the Copilot button in the upper-right corner of the drop-down menu and use it whether you have a blank document or you’re working with an existing document.

You can type your prompt directly into Copilot Pro to generate whatever result you need, or you can get assistance via a host of assistant tabs and quick options, including write about, ask a question, and summarize this document. Summarize this document, for example, will roll out text in a bullet point format and pull credits from the source document that you can refer back to later. For further assistance in prompt generation, you can select more prompts and access Copilot Labs.

With Copilot in PowerPoint, you can create a presentation from an existing Word document. Point Copilot in PowerPoint to your Word document, and it will generate slides, apply layouts, create speaker notes, and choose a theme for you.

Best practices when creating a presentation from a Word document

Leverage word styles to help copilot understand the structure of your document.

By using Styles in Word to organize your document, Copilot will better understand your document structure and how to break it up into slides of a presentation. Structure your content under Titles and Headers when appropriate and Copilot will do its best to generate a presentation for you.

Include images that are relevant to your presentation

When creating a presentation, Copilot will try to incorporate the images in your Word document. If you have images that you would like to be brought over to your presentation, be sure to include them in your Word document.

Start with your organization’s template

If your organization uses a standard template, start with this file before creating a presentation with Copilot. With its many features to support you when creating and editing documents, Microsoft Word is a powerful word processor. However, as a daily user of the desktop version of the software, there are some features that I've hoped would be added for many years—but my wishes are yet to be granted.

1. An Automatic Quick Access Toolbar

Microsoft's Quick Access Toolbar (QAT) is a great way of adding those features and functions that you use frequently to your toolbar at the top of your Microsoft Word window. For example, to speed up my work as a proofreader, I created macros and added these two buttons to my QAT to automatically make certain formatting changes every time I open up a Word document created by somebody else.

You can also quickly access most of Word's functions through the search box at the top of the window.

While these are both certainly useful ways to make things happen without having to trawl through Word's many menus, they both come with their problems.

Using the QAT is great if, like me, you only have a couple of icons to choose from, but if there are lots of things you do on a regular basis on Microsoft Word, your QAT can quickly become congested and confusing. That ultimately slowing you down as you try to remember which icon is the one you need to click. Equally frustratingly, the QAT isn't available on Microsoft Word for the web.

The search bar is only useful if you know the best keywords to type to find the feature you're looking for, and the Recently Used Actions and Suggested Actions that pop up when you click the search bar don't seem to represent reality.

To rectify this issue and speed up your work, Microsoft Word should have an extra tab on the ribbon, called Frequently Used Actions, that syncs between both the paid desktop app and its web-based counterpart. This alternative to the QAT would automatically log the tools you use more often in Microsoft Word, and make them available automatically without you having to manually add them to a toolbar, search for the function, or learn the keyboard shortcut.

2. Removing (and Adding) Blank Pages

There are various reasons for there being a blank page in a Word document, ranging from empty paragraph markers to hidden page or section breaks. You can use the Show/Hide icon (¶) to see if there are empty paragraph markers, and this will certainly go some way to helping you identify the source of the blank page.

The most problematic cause of a blank page for me, however, has been Microsoft Word insisting on there being a paragraph marker after a table.

As you can see in the screenshot above, after creating my table, clicking ¶ reveals that a new page has been created, even though this is the end of my document and I don't want a new page. As a result, to remove the extra page, I would have to change my font or line and paragraph spacing options, or adjust the page borders. And you can tell your printer not to print page 2 of your document, but it shouldn't be necessary to have to remember to do this.

The ideal solution to this issue would be for Microsoft to insert a Remove Blank Page option in the Layout tab on the ribbon.

You might also find situations where it would be useful to add a blank page to your document. While you can do this by adding a page break, because they're invisible unless you click "¶", sometimes it's easy to forget that they're there. So, as well as adding the option to remove the blank page, Microsoft should also consider having an Add Blank Page icon, too.

3. Instant Saving

Microsoft's AutoSave is a really handy safety net, as it automatically saves your work to your OneDrive . This means that you don't have to press Ctrl+S before closing your Word document, and if your computer suddenly shows you the blue screen of death , you can be confident that your work is sitting in the cloud, ready for you to continue once your PC has recovered.

But there's a catch. If you haven't initially saved your document, it won't be uploaded to your OneDrive, as Word will regard your document as a draft until you give it a name and save it to a folder.

As you can see in this example, I haven't given the document a name, so AutoSave is turned off, even though I have started to add text. If my computer were to require a spontaneous update, I'd lose this work.

As a workaround to this issue, it would be really handy if new Word documents were to save automatically as soon as they're created, even if named according to the first three or four words you type onto the page. What's more, with today's AI age, it would be even more useful if Word could scan your document, give it an appropriate name, and save it to a folder in your OneDrive where other similar documents have already been uploaded. But maybe that's pie-in-the-sky territory.

4. More Excel-Type Function User-Friendliness in Tables

You can use around 20 basic calculation formulas in tables on Microsoft Word , including =SUM, =AVERAGE, =COUNT, and =ROUND. But there's still a long way for Microsoft to go in this area.

First off, when you launch the Formula window after creating your table, there's no way for you to know which functions you can and cannot use. Unlike in Microsoft Excel, which offers formula suggestions when you start to type them into a cell, a very basic dialog box appears on Word, ultimately limiting what is actually a potentially really useful feature.

What's more, because there are no cell references on Word's tables, you have to type ABOVE , BELOW , LEFT , and RIGHT , which just seems cumbersome and less reliable.

And there's another issue (and it's a big one). If you change any of the values in the table, the calculations won't update automatically. Instead, you have to press Ctrl+A (to select all the functions) and F9, and it's very easy to forget to do this.

I'd really like to see Microsoft bring Word and Excel closer in this regard. When you create a table, the cells should be headed with column letters and row numbers, you should be given more of a clue which formulas you can use (and you should be able to use more), the formula syntax should be identical to what you'd type in Excel, and the formulas should update automatically if the data they rely on changes.

5. Add Attachments to Mail Merge

Word's Mail Merge tool is great for distributing the same copy of a document or email to many people but with certain elements personalized for each recipient, such as their name at the top. Let's say you want to send a personalized wedding invitation email to 100 friends and family, and you want to attach the itinerary to your email. While you can, indeed, send that personalized invitation through Word's Mail Merge, there are no easy ways to attach your itinerary. Instead, you'd have to install an add-in—which can work intermittently or pose a security risk—or create a complex macro—which takes a great deal of time to learn how to do.

I guess a lot of people would benefit greatly from the simple addition of an Add Attachment button to the Mail Merge dialog box in Microsoft Word—I know it'd make me very happy!

6. Better Image Integration

When you add images to a Word document , they can be frustrating to position and control, and often lead to layout changes in your work. Sometimes, it's difficult to know which option to choose when you right-click the image and select "Wrap Text," and selecting the wrong one can lead to the text behaving erratically around the image.

Also, if you add a large image to your document, this can significantly slow down its processing speed.

As an experienced Word user, I can adjust the settings and, ultimately, find ways to have the image behave how I want it to, but it shouldn't be that difficult. Things would be so much easier if, when you insert an image, a dialog box appeared before you see the image appear in your document, giving you options such as where and how you want the image to be placed among your words.

Ultimately, I'm a big fan of Microsoft Word and use it daily without any issues. But having these few extra features added would make my life a lot easier.
