Keep source formatting with copy-paste between presentations in Powerpoint (Work arounds)

Basic question:.

In Powerpoint, when copying slides from one presentation to another how can I maintain the source background, colors, and other formatting?

Traditional Answer:

When things are working right:

  • Get both presentations into the same view (e.g. Normal vs. slide sorter)
  • Highlight the slides in the source presentation and drag or Copy/Paste to the desired location in the destination presentation.
  • By default, it will adopt the corresponding styles from the destination template (specifically, that of the slide just before the paste destination)
  • In the small floating Copy/paste drop-down menu, select "Keep Source Formatting"

This will keep the source formatting and add the corresponding template of master slides to the destination presentation.

Question here is: What if that doesn't work?

Example: in the latest version of Powerpoint 2016 under Mac OSX (16.17 (180909)), selecting "Keep source formatting" does not make any changes. Instead, the check mark never moves, and the format is stuck with the undesired destination formatting.

Work around:

  • Open the Master view in each presentation
  • Select the top (larger) master slide from the source and copy it to the end of the list of master slides in the destination. This will copy not just one slide format, but the full template of slide formats as an alternate template in the destination. Existing slides there will not change
  • Return both to normal view
  • Copy slides to destination, attempt to use the drop down to select "Use destination formatting." Chances are this won't work or you wouldn't be reading this part so...
  • For the newly copied slides, select the Layout button from the Home ribbon and scroll down till you see the source template and select the correct slide type.

What is Slide Master in PowerPoint

PowerPoint Slide Master gives you control over how to display slides with uniformity based on your preferences. It is available via the View tab in PowerPoint and can be used to set logos, fonts, images, and other parts of your slides using a master view. The top slide or Master Slide in PowerPoint Slide Master is the primary slide, changes to which are reflected across the whole presentation. This is followed by other layouts available for your presentation that can also be adjusted in Slide Master.

How to Edit a Master Slide in PowerPoint

PowerPoint, by default, provides a Master Slide for every slide deck, even if you start with a blank presentation. For PowerPoint templates downloaded from the Microsoft Store or third-party sources, Master Slides are more refined than the default layout in PowerPoint. To do this, you can create a PowerPoint Master Slide from scratch. To create a new Master Slide, open a blank PowerPoint presentation and go to View -> Slide Master .

From the Master Layout option in Slide Master, you can select the elements that you wish to single out for editing.

You can save and apply master slides to an existing PowerPoint presentation from one you might have saved earlier. To do this, you will require saving the original theme of your slides and then importing them to the presentation deck to which you intend to apply the master slides. Open the slide deck from where you wish to import the theme and go to View -> Slide Master .

How to copy slides to or from another presentation

  • Copy the slides from the original presentation to the new presentation,
  • Use the Reuse Slides tool , which displays the content of an original presentation and allows choosing the slides you want to insert in the new presentation.

To copy the slides from the original presentation to the new presentation, do the following:

   1.   Open both presentations:

  • The presentation from which you want to copy slides – source presentation,
  • The presentation to which you need to copy slides – working or destination presentation.

   2.   On the View tab, in the Window group, click the Arrange All button:

Or place the presentations on the screen like you want to see both of them simultaneously.

   3.   Select slide or slides to be copied:

  • In the Slide Sorter view, click the slide on the Slide pane.
  • In the Normal/Outline/Slide Sorter view, click the first slide you want to select.
  • To select a contiguous series of slides, press and hold the Shift key, then click the last slide you want to select.
  • To select noncontiguous slides, press and hold the Ctrl key, then click each additional slide you want to select.

   4.   Copy the selection to the Clipboard by doing one of the following:

PowerPoint inserts the copied slide(s) and applies the destination theme to the copies.

Reuse Slides tool

The Reuse Slides pane displays all slides from any presentation and copies some of them to the working presentation. To open the Reuse Slides pane, do the following:

   1.   On the Home tab or Insert tab, in the Slides group, click the New Slide arrow, then on the New Slide menu, below the gallery, click the Reuse Slides... command:

   2.   On the Reuse Slides pane (by default, it is opened on the right side), do one of the following:

In the Browse dialog box, browse to the folder that contains the presentation from which you want to use slides, and then double-click the presentation or click the Open button.

If you've recently opened the presentation from which you want to import slides:

  • Click the down arrow in the Insert slide from field to expand the list, then select the presentation from the list.

   3.   On the Reuse Slides pane, click the thumbnail of each slide you want to insert into your presentation.

Copy and paste your slides

Save yourself time and work by copying a slide — either from the presentation you’re working on or from a separate presentation. When you copy one or more slides from a presentation to a location within the same presentation or to another presentation, you can specify the theme that you want the new slides to adopt.

Click View , and then in the Presentation Views group, click Normal.

In the slide thumbnails on the left side, click the slide that you want to copy:

To select multiple sequential slides, click the first slide, press Shift, and then click the last slide that you want. Alternatively, you can click on the first slide, press Shift and then press the CURSOR DOWN button until you get to the last slide.

To select multiple non-sequential slides, press Ctrl, and then click each slide that you want.

Right-click the selected slide(s), and then click Copy .

Select the slide or slides you want to copy, and then on the Home tab, click Copy .

This article explains how to copy a slide in PowerPoint from another PowerPoint presentation. Instructions in this article apply to PowerPoint 2019, 2016, 2013, 2010, 2007, 2003, and PowerPoint for Microsoft 365.

Copy and Paste Method in PowerPoint

A quick way to use slides from one presentation in another presentation is to copy the slides that you want to use and paste those slides into the new presentation.

Open both presentations to show them at the same time on the screen. The original presentation contains the slides you plan to copy , and the destination presentation is where they will go. The destination presentation may be an existing presentation or a new presentation.

On the ribbon , go to the View tab.

In the Window group, select Arrange All . In PowerPoint 2003, choose Window > Arrange All from the main menu.

In the Slides pane of the original presentation, right-click the thumbnail of the slide to be copied.

Choose Copy from the shortcut menu.

In the destination presentation, right-click a blank area of the Slides pane where you want to place the copied slide. It can be placed anywhere in the sequence of slides in the presentation.

Choose a Paste option. In PowerPoint 2019, 2016, 2013, and 2010, you have three options:

  • Use Destination Theme (H) : The copied slide will use the same theme as the PowerPoint presentation it is pasted into.
  • Use Source Formatting (K) : The copied slide will keep the original theme and formatting as the original presentation.
  • Picture (U) : The copied slide will be pasted as a graphic into the active slide.

For PowerPoint 2007 and 2003, choose Paste from the shortcut menu.

If you'd rather use the mouse to copy slides from one presentation to another, follow these steps:

In the Slides pane of the original presentation, select the thumbnail of the desired slide.

Drag the thumbnail to the Slides pane of the destination presentation in the preferred location for the slide.

The pointer changes to indicate the placement of the slide.

Place the slide between two slides or at the end of the presentation.

When you use this method, you don't have the option to choose which theme the newly copied slide will use. The newly copied slide takes on the design theme in PowerPoint (or design template  in PowerPoint 2003) of the second presentation.

If you started a new presentation and haven't applied a design theme or design template, the newly copied slide appears on the white background of the default design template.

How to link from one powerpoint presentation to another.

Don't waste time creating slides for a presentation when they already exist in another. Just link to them!

Linking two presentations together allows you to save time by using already-existing slides. The transition is almost seamless, giving it the illusion of one single presentation. Here's how to link PowerPoint presentations together.

Before we get started, note that both presentations need to be in the same folder to link them together. Moving or renaming the second file after the link has been created will cause the slide to break.

Linking two presentations together isn't magic, but it’s as simple as inserting and clicking a hyperlink. What this trick does is allows you to insert a link within an object or text from presentation A that brings you to a specific slide of presentation B while still in presentation mode.

Once you’ve opened the first presentation and have navigated to the slide in which you will be linking from, select the text or object where you want to place the hyperlink.

If you haven't already inserted an object, you can do so by selecting any of the options in the "Images" or "Illustrations" group of the "Insert" tab, and then selecting the object you'd like to insert.

Once selected, head over to the “Links” group of the “Insert” tab and select “Action."

Now you’ll be at the “Action Settings” menu. Here, select the “Hyperlink To” option. Once selected, you’ll be able to open the drop-down menu underneath it. Do so, and then select “Other PowerPoint Presentation."

Once you select that option, File Explorer (Windows) or Finder (macOS) will open. Here, select the presentation you would like to link to. Click the "OK" button.

Next, you'll be greeted with a list of the slides from the presentation you're linking to. Select the slide that you'd like to go to and click "OK."

You’ll now notice the file path of the second presentation appears under the “Hyperlink To” box. Once you’re ready, select the "OK" button.

Your hyperlink will now be inserted in the selected text or object. To ensure it inserted correctly, you can hover your mouse over the text or object and the file path will appear.

If you want to double-check that you pointed to the correct presentation, you can press the Ctrl key while clicking the link to follow it.

Now, when you play the PowerPoint in presentation mode, simply clicking the hyperlinked text or object to give you a seamless transition from the first presentation to the second.
