Metrics are meant to help companies keep teams aligned and progressing toward goals, but too often they remain buried in spreadsheet mazes, complicated dashboards, or lengthy reports.

This is a missed opportunity because company metrics are critical tools for employees to:

  • Understand primary objectives
  • Track progress toward goals
  • Make decisions that improve results

But metrics cannot be useful unless they are shared with employees in meaningful ways. It’s one thing to collect and analyze data, it’s another to present it in a way that is practical and impactful.

Here are some key ways to keep company metrics top of mind so employees can recognize and use them as the important tools that they are.

Many goals within an organization are represented as key performance indicators or KPIs, core measurements of performance for an organization, department, team, or process. KPIs typically represent a high-level abstraction of the output of the core processes of a department or organization. Often, the strategic goals of a department or organization are represented as improvements in KPIs. And, the improvements in KPIs typically assure an organization that activities are having a positive impact, while degradation in KPIs can signal a potential issue that needs to be addressed. Below is an example of a high-level sales process and the typical set of KPIs a sales team manages.

Key Performance Indicator KPI Example

Give the above visual a quick review. You can see I’ve taken the sales funnel for a B2B organization, and built KPIs for each process stage gate. While KPIs can be created at the total sales team level, they can be even more informative at the individual level or the product or service level.

Another important consideration to think through with KPIs is leading versus lagging KPIs. With the sales team example, one of the primary outputs of any sales team is sales and gross margin. But, sales and gross margin are lagging KPIs, since they come at the end of all the activity by a sales team. Some leading KPIs that will create sales and gross margin are KPIs upstream in the sales process, such as the number and size of targets, total number and value of prospects, the ratio of prospects to targets, and customers to prospects. If the leading KPIs are positively trending and healthy, then the lagging KPIs of sales and gross margin should be better in the future.

While I was COO at Goal Zero, I came across a few important leading KPIs that helped us manage the business. We were the leader in consumer portable solar power solutions. As we looked at forecasting our sales three months to a year out, one of the best KPIs was the growth of actual sales in the stores of our retail partners , such as REI and Bass Pro. We would analyze actual sell-through in the stores, and then use the data as one of our key inputs into our sales forecasting process. Another example of a leading indicator of returns and warranty issues was our quality inspection KPIs at the factories. If we saw our quality go down as products came off a line, it impacted our quality scores, reviews, and return and warranty rates six months to two years down the road.

How do you build and manage the right KPIs?

KPIs should flow out of your strategic planning process. They should be the key metrics tied to your organization or team’s vision and goals. Here are the key elements to think through with KPIs:

Choose the Right KPIs

It always starts with the right KPIs. What is your company’s strategy to drive customer value and competitively differentiate? How do the goals of your organization or team support the strategy? What KPIs reflect those goals? Try not to have more than 4-8 KPIs at any level or department of the organization.

Invest in Clean Data

How difficult is it to get the necessary data to build KPIs? Hopefully, you have good systems that have built-in dashboards, but too often, this isn’t the case. While it is great to have automated KPIs, often organizations have to, once a month or quarter, do ad-hoc analysis to calculate the KPIs. Regardless of the systems, it is important, as a company grows beyond 20-30 people, to consider hiring a part-time or full-time database analyst, who knows how to extract, transform, store and report on the data necessary for your KPIs. Otherwise, often the best solution is to use SaaS (Software as a Service) platforms for your organization’s technology needs, since SaaS platforms are typically simple implementations, easy to manage, and have a lot of the typical KPIs and metrics built into the platform.

Optimize the Frequency

You create KPIs to help understand progress, performance, and issues and inform decision-making. There is the old sports adage, “pay attention and stop looking at the scoreboard.” While some KPIs you need to see once a day or week, most should be done once a month, or even once a quarter. Unless you are going to act on the data, you don’t need to look at it all the time. In retail, I’ve seen companies report on sales and gross margin every single hour. It makes no sense since the decision the team made months ago regarding merchandise and advertising was impacting the hourly KPIs. Looking at KPIs too often can create pretty bad reactionary decisions . You have to let KPIs breathe and establish a trend, before throwing the kitchen sink at a KPI.

Create Broad Access

Typically, giving broader access to KPIs is better than restricting access. The players playing the game need to see the scoreboard. Doing email snapshots or giving employees access to a business intelligence tool are typically the best ways to disseminate KPIs.

Enable Drill Down & Dimensionalization

The best implementations of KPIs are ones built on good business intelligence platforms and tools, with the ability to drill down into a particular KPI and dimensionalize the KPI by time, product lines, customers, or other important dimensions.

Automate Exception Reporting

Another way to significantly increase the value of KPIs is to implement exception reporting, which involves triggering an alert, often by email, when a certain KPI hits a low or high threshold. Most KPIs are like your body temperature. You don’t need to know your temperature all the time, only during those times when it spikes high or low, indicating a potential illness or medical issue. The same with KPIs, in certain instances, when a KPI spikes high or low, it can be a sign of an issue that needs to be addressed. The best practice is to create exception reports to let the important stakeholders know something is out of whack.

The top section tracks total likes and engagement across the major social platforms over a given period of time. A line graph details your ad spend across different ads with a draggable notation for your highest performance. The numbers on the right-hand dashboard highlight important financial metrics related to ad spending and return. On the top left is your total budget, underneath is the amount spent, and in the middle right is your revenue created. In this instance, the revenue led to an ROI of 62% (which is in the bottom left corner). (Slide 21)

Employee performance dashboard

While managers and execs track business-related KPIs, they also need to track performance on the individual level. In this employee performance dashboard, an employee valuation scoreboard on the left-hand side can be used to grade employee performance for benchmarking purposes. The bar chart in the middle can be used to visualize employee valuation scores.

Another scoreboard on the right details other areas for scoring where teams are assessed based on quality and quantity of work, work efficiency, or more specific tasks like reducing their sales cycle period between first contact and close. Arrows on the right or left showcase improvements or decreases in improvements. (Slide 30)

In preparation for our CEO, Noah Zandan’s SXSW Interactive discussion, How to Spot a Liar… With Data , we have compiled our list of 5 metrics everyone needs to know in order to give a great presentation.

Here are our top five metrics that are essential to giving a great presentation that engages your audience and drives results:

  • 15 seconds—the amount of time you have to make a positive first impression on your audience. From the moment you step on stage, your audience will make an assessment of you and then look for evidence to confirm their first impressions. This subconscious phenomena is called thin slicing -and we all do it. Research shows that the first fifteen seconds of a presentation are the most important because 90% of your audience’s initial judgments remain the same even after you’ve given your presentation. Knowing this, you want to do everything in your power to make a positive first impression to ensure that initial judgment swing in your favor. How? Dress for success, be prepared, know your audience and don’t forget to smile.
  • 5 minutes—the average audience attention span. Our attention spans have decreased from 12 to 5 minutes in the past ten years. Blame twitter, blame Facebook – point your finger wherever you’d like but the truth is, we just don’t pay attention like we used to. In fact, in one 24 hour period, the average working American checks her phone up to 150 times and is exposed to over 34GB of content -—that’s the equivalent of 38.7 hours (or 1.6 days) of HD video on YouTube! With all this competition for your audience’s attention, engagement has never been more important.The nemesis of audience engagement is boredom, so you must keep your presentation interesting. Incorporate unique visual aids, brief anecdotes, jokes, quantitative and qualitative examples into your talk, and use your voice as a communication tool by changing your tone and volume to enhance your message. And, whatever you do, never turn off the lights!
  • 10%—Get to the point! The percentage of your speech dedicated to your introduction. This metric is especially important given the short attention span of your audience. The average professional tunes out of a presentation within the first 60 seconds, so make sure you cut to the chase. Start with a bang—the first words out of your mouth should instantly pique the interest of your audience. Then, once your have their attention, give them a reason to stay focused—tell them what they will learn if they pay attention, or tantalize them with a sneak peek of the exciting information you’re about to deliver.
  • 12 words—the maximum number of words that should be projected on your screen at a time. When we learn, there’s a limit to how much information we can absorb at once. So judge your slides like a marketing director—your projected information should function like a billboard. The audience should be able to quickly understand the visual aid before turning their attention back to you—so cut the text and crank up the images.Studies show that people absorb more information when narration is accompanied by visual aids, as opposed to text. If your audience is too busy reading your slides they’re not focusing on what you have to say! Remember, you’re the star of the show and your visual aids are your backup dancers.
  • 100% of your audience will appreciate your speech ending on time. Audiences are selfish. Your audience comes to your presentation with very clear expectations for how much time they’ve taken out of their busy days to listen to you. If you violate those expectations, you run the risk of being remembered not as a fantastic speaker but rather as the speaker who didn’t stop talking. When you’re speaking, you want your audience to feel like time just flew by – and, most importantly, you want to leave your audience hungry for more.

In a statement today, it said the robust performance aligned with AirAsia's strategic focus on expanding capacity and rebuilding its network.

"Passenger volume grew 17 per cent y-o-y to 15.4 million, outpacing capacity growth of 15 per cent y-o-y, demonstrating continued strong travel demand across the region,” the carrier group said.

It noted that the growth was largely attributed to the school holidays, Chinese New Year season as well as the resurgence of China and India routes that delivered a robust load factor of 94 per cent, higher than the pre-COVID level due to the visa-free travel corridors of both regions introduced at the end of 2023.

As of the end of March this year, the airline group deployed 167 operational aircraft.

"AirAsia Philippines and Thailand emerged as the group's top performers, with highest load factors at 93 per cent each, while AirAsia Malaysia and Indonesia followed closely with load factors of 89 per cent and 83 per cent, respectively,” it said.

Capital A still owns an 18.39 per cent stake in AAG.

Meanwhile, Capital A’s AirAsia Move, formerly known as airasia Superapp, has maintained a strong user base that exceeded 15 million monthly active users (MAU) in 1Q 2024 and recorded a 19 per cent y-o-y growth in MAU.

As for the logistics segment, it said Teleport delivered 63,945 tonnes in 1Q 2024, up 79 per cent from 1Q 2023, while the utilisation rate rose five per cent y-o-y to 16 per cent during the quarter.

Besides that, Asia Digital Engineering (ADE) completed 82 per cent more base maintenance checks compared to the same period last year, while the inflight service provider, Santan, recorded 5.1 million units sold in 1Q 2024, an increase of 13 per cent y-o-y. - Bernama
