Microsoft PowerPoint allows you to combine two or more presentations with different theme templates. PowerPoint includes a Keep Source Formatting option that retains the template format for each slide. For example, a presentation with the Ion template showcasing your current products can include some slides with the Organic template promoting your future products to help your clients view the contrast between your timely products.

Open your PowerPoint presentation in Normal view. If the left slide pane and command ribbon do not display, click the “Normal” button on the status bar.

Click the “Home” tab on the ribbon, click the “New Slide” down arrow in the Slides group to open a list and then click “Reuse Slides” to open the Reuse Slides pane.

Click the “Browse” button in the Reuse Slides pane and then click “Browse File” to bring up a list of your files in a dialog box. Click the PowerPoint file that contains the different template and then click “Open” in the dialog box to display the slides in the Reuse Slides pane.

Select the “Keep Source Formatting” check box at the bottom of the Reuse Slides pane.

Click the slide in the left pane where you want to insert the slide from the Reuse Slides pane. For example, click slide "3" if you want to insert a slide after this slide. A color border surrounds the selected slide.

Click the preferred slide in the Reuse Slides pane to copy to the left pane and presentation. Continue scrolling and selecting slides from the left pane and inserting slides from the right pane to expand your first PowerPoint presentation with the combined slides.

11 tips to hold your audience’s attention

Here are my top tips for designing a presentation with impact:

1. Dedicate each slide to only one topic

Just as it’s important for your slides to not be cluttered, it’s also important for your slides to be cohesive.

Keep each slide focused on just one topic. The topic of each slide should be clearly stated in the slide title.

This simple, straightforward slide pattern will help the audience follow along without any confusion.

Or take this presentation template that introduces some of this year’s biggest business trends. Rather than listing multiple trends on one slide, each trend is fleshed out in its own slide:

As a presenter, keeping your slide topics organized will help you organize your thoughts as well. Each new slide will signal a new topic.

2. Start with presentation templates

Before jumping into the other tips, let’s set the foundation.

You’ve decided to create something a little more interesting than a standard PowerPoint theme–good on you! But that doesn’t mean you have to start completely from scratch.

Instead, you can give yourself a head start by using creative presentation templates, like this one:

While most PowerPoint themes are fairly limited in how much you can customize them, freeform presentation templates will give you the freedom to alter the design as much as you want.

3. Don’t overburden your slides with text

Even if you decide to ignore most of the other tips in this guide, don’t skip over this one. This is presentation design 101.

When you flip to a slide covered wall-to-wall with text, there’s a good chance your audience is going to think:

  • I don’t want to read all of that.
  • This presenter isn’t well-prepared.

In fact, a study published in Business and Professional Communication Quarterly found that anxious presenters tended to use more text on their slides, usually because they used their slides as speaking notes.

Instead of using a bunch of text, look for ways to present information visually charts and infographics .

For example, this slide template uses brief text and some simple icons to summarize the presentation :

4. Establish a visual hierarchy on your slides

When you flip to a new slide, your audience will be seeing it for the first time. Their eyes are going to naturally be drawn whatever the focal point on the page is.

The focal point is the most dominant area on your slide–the point that draws the most attention.

You can create a hierarchy of information on your slide by making the most important information the focal point of your slide. In most cases, the focal point will be the slide title, or a particular visual, or an important phrase or number.

There are a few ways you can create a visual hierarchy on your slides.

You can bold important phrases, like the word “Facebook” in this slide:

Icons also help to establish a reading order. They draw your eye from point to point. Placing icons beside headers and important points will make them stand out from the other information on the slide.

Icons can also be used to indicate where a new point begins:

Color selection can also be used to establish a visual hierarchy. Take a look at how the colorful blocks in this slide help to make the slide titles pop:

Your eyes are drawn first to the title text, then to the supporting information beside it.

5. Pick a visual motif that runs throughout your presentation templates

You can use visuals to pull your presentation design together and make it cohesive. Picking a visual motif will allow you to use consistent visuals throughout your presentation.

A visual motif is a repeated pattern, design, or image. In your presentation design, a motif can take many forms.

When it comes to infographic color selection , one of the simplest approaches is to use a consistent color motif (or color scheme). That could mean using one or two colors for all of your headers, background and borders.

For example, this presentation template uses two shades of purple for a modern design:

But combining different colors and patterns can also make for a more interesting design. For example, this presentation template uses a blue stripe motif to link the slides together visually:

You could also use a recurring shape or image, like the circle image frames in this presentation template:

Or you could use a motif that reflects the theme of your presentation. For example, this presentation template uses a recurring cloud motif throughout the presentation to reflect the “dream” theme of the brand:

This is a case where starting with a presentation template can really come in handy, because the template will already have a motif. Look for presentation templates with a motif that fits your topic and brand.

6. Visualize data using charts and infographics

Replacing text with visuals is one of the best ways to prevent your slide design from becoming cluttered. Charts and infographics present information in an engaging, digestible way.

I won’t go into too much detail here about what types of charts you should use for what data. We’ve got an in-depth guide to picking charts for that.

But I’ll give you a few ideas for some types of charts and infographics that work well in presentations.

If you want to visualize steps in a process, the history of something, or a roadmap, use a timeline.

This slide template uses a simple timeline with complementary icons to emphasize each date:

To compare amounts or sizes, a bubble chart can help drive the point home:

To create an infographic for geographic and demographic information , a map can make a big impact on your audience:

A classic pie chart or bar graph should be easily understood by your audience, provided you’re following  chart best practices .

If you can, mix up the types of data visualizations you use. This will help prevent your audience from getting bored.

7. Create custom illustrations using icons to help tell stories

Custom illustrations are one of this year’s  biggest graphic design trends . They’re fun, quirky, and more exciting than a boring old stock photo.

Creating your own illustrations for social media graphics might seem like a costly and time-consuming undertaking. And it can be. But I’m going to offer you a hack:

Use icons to create illustrations.

When picking ico ns or symbols for your illustrations , make sure that the icon style you use is consistent. For example, this presentation template uses line art icons for a scribbly youthful look:

8. Highlight important information using big, bold colorful text

Returning to the idea or focal points on your slide: emphasize a key number or phrase when creating a persuasive presentation using big, bold text in a contrasting color.

This will communicate to your audience that if they take away one thing from your slide, it should be that piece of information.

For example, this presentation template uses bright colored font in several sizes larger than the rest of the text to emphasize important numbers on each slide:

But you could also pick one color to emphasize key information with. That way, your audience will catch on to the pattern and look for that color in upcoming slides.

9. Alternate between different slide layouts to keep your audience engaged

You may be tempted to use the same slide layout throughout your entire presentation–either for consistency or because you’re not sure how else to design your slide.

The problem is, using the same slide layout over and over again won’t do much to excite your audience.

There are other ways you can create consistency throughout your presentation, while also using different slide layouts–like through a visual motif.

For example, this presentation template uses five different slide layouts. The consistent color scheme, image style and font style pull the presentation together.

To come up with different slide layouts, try dividing your slide into columns. This can make it easier to arrange the elements in your slide.

10. Add a progress tracker to your presentation slides

Creating a sense of forward movement will help keep your audience engaged.

Similar to how you would put the chapter title at the top of the pages in a book, you can track the progress of your presentations in your slides. This will let your audience know what stage you’re at in your presentation. Your audience will also be able to refer to the sections in your presentation more easily afterward.

A simple progress bar at the bottom of your slide shouldn’t distract too much from the rest of your information.

11. Download your presentation as a PDF

It’s common for audience members to request a copy of your presentation for their reference. Make sharing your presentation easy by exporting it as a PDF or zipped file.

Combine Slides from Multiple PowerPoint Templates

Combining slides from multiple ppt templates is easy.

We've had questions about the possibility of combining several of our PowerPoint templates into one presentation . So, How do you mix and match slides from different animated templates to make consistent presentations?

It's straightforward to do if you use PowerPoint 2010 or newer. We've put together a video tutorial about how to quickly copy slides from one template to combine slides from various templates.

The video will show you how to:

1. Open both the source and destination presentations in PowerPoint

2. Find the slides that you want to copy over from the source presentation

3. Select and copy those slides in PowerPoint

4. Paste those slides into your destination presentation

5. Adjust the slide layouts as needed

6. Save your new, combined presentation

Hello, this is Judd with presenter media and this video tutorial I'll show you how to download PowerPoint templates from presenter media, load them in PowerPoint and combine multiple slides from multiple templates to make a presentation. So let's get started up in the top menu navigation, go to the far left, where it says PowerPoint templates. When I'm also over that I'll get a dropdown menu of [00:00:30] subcategories I can select, but I'm going to click right into PowerPoint templates by clicking the top navigation category, PowerPoint OFS. When I do that, it opens the PowerPoint templates library, and I can click through multiple pages to find and look at templates, or I can go to the search up here and click on filters and select templates and type in my search keyword here and find template templates [00:01:00] that way. But for this video, I'm just going to go to the first page and find a template I want to use. Uh, I like this one right here. So, I click on the thumbnail for that template. And it takes me to the close-up preview page with the video here that I can, fast forward through. If I want to see the animation inside the, the template and when I'm ready to download, I can click [00:01:30] download PowerPoint template, the screen button right here, or I can scroll down and from template downloads, I can download this P PTX here as well. Some templates have, uh, multiple versions for download, say for keynote or, or an older version of PowerPoint. So it's backwards compatible, but this one just has, has one download. So I'll download that and save it to my downloads [00:02:00] on my computer. And I'm going to go back to PowerPoint templates. So, I'll click on this bread crumb link here to get back to PowerPoint templates, and I'm going to look download another template. So, I'll click on this one here to bring up the closeup page and I'll just download by clicking on the green button here and save to my computer. So, I have two templates downloaded to my computer, and I'm going to open PowerPoint now [00:02:30] and go to file open browse, and then go to downloads on my computer. That's where I save my templates and I'm going to open the first template I downloaded and up here, you'll see, it says protected view. You just need to click enable editing to get started, and I'm going to delete [00:03:00] a lot of these slides out of here. So if, if I hold control on my keyboard, I should be able to click multiple slides. So yeah, you see that multiple slides are highlighted, and I can, I can jump over slides. So, uh, so when I delete it, this, this slide will stay. So, if I hit delete on the keyboard, I'm now left with the three slides I want, and I'm going to load slides from the other [00:03:30] template. I, I download it. So, if I go file open, go browse, and I'm going to load this neon triangles template. And it loads as a separate, uh, PowerPoint template. So I have two different windows open. I have The template that I'm using and the template that I'm going to copy slides from. So holding control, [00:04:00] I will click the slides that I want. Let's see, we'll try these. So once I have the slides selected that I want, uh, I'll right, click on the slides and go copy. And then I'll go over to the template that I was working on before and right, click on any slide and click paste. I'm going to use this first option. It's called use destination [00:04:30] theme. Okay. Speaker 1: And it has loaded in, and now it's using the theme colors for this, this template, but you see the, the background is white and that's not, that's not what we're looking for. And to change that, I'm just going to click on the background, make sure I select the background. So down in this corner, click, uh, format background, [00:05:00] and over here on the right options, we'll load up and I'm going to first, I'm going to go to the, to this top slide and right click on the background. Cause I want to see what color this background is using. So I click into color and you can see that it's using, it's kind of highlighted right there, this little square and the theme colors, which is the first accent color in the theme colors. So, there's, there's [00:05:30], these, these text colors are the first ones. And then there's six accent, accent colors, 1, 2, 3, 4, 5, 6, right here that each template will use and pull colors from. So what's happening with this one is the background color is just set to the wrong theme. So if I, uh, format background, go over to the right here and click on that, [00:06:00] it's just set to a white. So, I'm going to find that that color that was selected on the, the slides before this one. So if I go over five, that should be the first accent you can see that says accent one. And I think it was the second one up here and I click on that and nothing happens. So, I'm just going to go down here and say, apply to all. And that's going to set that color for all the slides in this template. [00:06:30] And when I do that, you can see that it now has that same color background for all the slides and they all look like they fit together and go together to make a complete presentation. So, and then in this presentation you can go in and, uh, select a picture, right? Click change picture. I can add one from this device or from stock images that a, , [00:07:00] PowerPoint provides. So let's say I want a, a golf ball in there. Oh, there we go. So I got my, my picture of a, uh, golf ball and a wave. So, go golfing and then go swim in the ocean. So, let's see, I think that's about all for loading PowerPoint templates into PowerPoint and combining slides. If you want to stick around, I'm going to load another, download another template, bring [00:07:30] it into PowerPoint and do it all over again. So, if you want to watch this again to kind of refresh your, your mind and, and see it done again, just, uh, just stick with me here and, and we will, we'll go through the same steps. So, if I go to back to presenter media, go back into the PowerPoint templates library, and I'm going to stay on this front page just for, uh, time wise. [00:08:00] And I'm going to select this, uh, professional template design and let's see. Yeah, I'm going to open or download the template here, save it to my computer, go back into PowerPoint, go file. Open browse. And I'm still in my downloads folder. So it should be the first download. Yep. Right there, [00:08:30] open and enable editing. And let's see, I'm just going to choose the first two slides under the title slide. So holding control, I can click and select multiple slides, right? Click on the slide and choose copy. Now I will go over [00:09:00] to the presentation I'm using to combine multiple slides in and right. Click on a sliding and choose paste and use destination theme, which is the first option in the paste options. And yeah, it looks good. You can see that the background came in and changed, uh, perfectly. , unlike the other, other template we used, [00:09:30] that means that the, the, if I right click on the background here and go for my background, what it did was it was set to use, , the same, uh, accent color as the, the presentation or the template we started with. So we started with this, this template. , this one did not have the correct background, so we just changed [00:10:00] it if you remember, and this one actually was set to the right background. So it just kind of came in, uh, perfectly. So, yeah, that's how you combine multiple slides and PowerPoint. And how did, that's how you download our, our templates from ER media. And that's how you make a, a presentation, uh, very quick, very slick and yeah. Saving a lot of time on design. So, , start playing around [00:10:30] by combining multiple slides and, and making some great animated templates. We'll see you on the next video. Bye. Bye.

How to Copy a PowerPoint Design Template to Another Presentation

What to Know

  • In the source presentation, select View > Slide Master . In the Slide pane, right-click the Slide Master and select Copy .
  • Go to View > Switch Windows and choose the second presentation. Go to View > Slide Master . Right-click the Slide pane and select Paste .
  • Choose Use Destination Theme (keeps colors, fonts, and effects) or Keep Source Formatting (copies the source's colors, fonts, effects).

This article explains how to copy a PowerPoint design template over to another presentation. Instructions apply to PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, and PowerPoint for Microsoft 365.

How to Copy a Presentation's Design Template

It's often quicker to copy a design template from a presentation than to find it in the list of PowerPoint templates. 

Go to View in the presentation that contains the design template you want to copy and select  Slide Master .

Right-click the Slide Master in the Slide pane on the left side of the screen and select Copy .

The Slide Master is the large thumbnail image at the top of the Slide pane. Some presentations contain more than one slide master.

Go to View , select  Switch Windows , and choose the presentation you want to paste the Slide Master into.

If you don't see the other PowerPoint presentation on this list, it means that the other file isn't open. Open it now and return to this step to select it from the list.

In the second presentation, go to View and select Slide Master to open the  Slide Master .

To insert the Slide Master from the other presentation, right-click on the Slide pane to the left, select Paste , and do one of the following:

  • Choose Use Destination Theme to keep the theme colors, fonts, and effects of the presentation you are pasting to.
  • Choose Keep Source Formatting to copy the theme colors, fonts, and effects of the template you are copying from.

Select  Close Master View .

Changes made to individual slides in the original presentation, such as font styles, do not change the design template of that presentation. Therefore, graphic objects or font changes added to individual slides do not copy over to a new presentation. 

To copy PowerPoint slides to another presentation , right-click the thumbnail of the slide you want to copy and choose Copy . Right-click a blank area of the Slides pane where you want to place it and choose one of the pasting options.

To save a copy of a PowerPoint presentation on your computer, go to the File tab and select Download As > Download a Copy . Select Download to continue.

To embed YouTube videos in PowerPoint , select Share > Embed . Select the HTML code and choose Copy . In your PowerPoint slide, select Insert > Video > Insert Video From Website . In the dialog box, right-click the blank area and choose  Paste  > Insert .

In this blog post, I’m sharing some of my favorite PowerPoint tips and templates to help you nail your next presentation.

What makes a good PowerPoint presentation?

In my opinion, a great PowerPoint presentation gets the point across succinctly while using a design that doesn't detract from it.

Here are some of the elements I like to keep in mind when I’m building my own.

1. Minimal Animations and Transitions

Believe it or not, animations and transitions can take away from your PowerPoint presentation. Why? Well, they distract from the content you worked so hard on.

A good PowerPoint presentation keeps the focus on your argument by keeping animations and transitions to a minimum. I suggest using them tastefully and sparingly to emphasize a point or bring attention to a certain part of an image.

2. Cohesive Color Palette

I like to refresh my memory on color theory when creating a new PowerPoint presentation.

A cohesive color palette uses complementary and analogous colors to draw the audience’s attention and help emphasize certain aspects at the right time.

It‘s impossible for me to tell you the specific design ideas you should go after in your next PowerPoint, because, well, I don’t know what the goal of your presentation is.

Luckily, new versions of PowerPoint actually suggest ideas for you based on the content you're presenting. This can help you keep up with the latest trends in presentation design .

PowerPoint is filled with interesting boilerplate designs you can start with. To find these suggestions, open PowerPoint and click the “Design” tab in your top navigation bar. Then, on the far right side, you'll see the following choices:

9. " 10 Things Your Audience Hates About Your Presentation ," Stinson

This simplistic presentation example employs several different colors and font weights, but instead of coming off as disconnected, the varied colors work with one another to create contrast and call out specific concepts.

What I like: The big, bold numbers help set the reader's expectations, as they clearly signify how far along the viewer is in the list of tips.

10. “Pixar's 22 Rules to Phenomenal Storytelling,” Gavin McMahon

This presentation by Gavin McMahon features color in all the right places. While each of the background images boasts a bright, spotlight-like design, all the characters are intentionally blacked out.

What I like: This helps keep the focus on the tips, while still incorporating visuals. Not to mention, it's still easy for me to identify each character without the details. (I found you on slide eight, Nemo.)

11. “Facebook Engagement and Activity Report,” We Are Social

Here's another great example of data visualization in the wild.

What I like: Rather than displaying numbers and statistics straight up, this presentation calls upon interesting, colorful graphs, and charts to present the information in a way that just makes sense.

12. “The GaryVee Content Model,” Gary Vaynerchuk

This wouldn‘t be a true Gary Vaynerchuk presentation if it wasn’t a little loud, am I right?

What I like: Aside from the fact that I love the eye-catching, bright yellow background, Vaynerchuk does a great job of incorporating screenshots on each slide to create a visual tutorial that coincides with the tips. He also does a great job including a visual table of contents that shows your progress as you go .

13. “20 Tweetable Quotes to Inspire Marketing & Design Creative Genius,” IMPACT Branding & Design

We‘ve all seen our fair share of quote-chronicling presentations but that isn’t to say they were all done well. Often the background images are poor quality, the text is too small, or there isn't enough contrast.

Well, this professional presentation from IMPACT Branding & Design suffers from none of said challenges.

What I like: The colorful filters over each background image create just enough contrast for the quotes to stand out.

14. “The Great State of Design,” Stacy Kvernmo

This presentation offers up a lot of information in a way that doesn't feel overwhelming.

What I like: The contrasting colors create visual interest and “pop,” and the comic images (slides 6 through 12) are used to make the information seem less buttoned-up and overwhelming.

15. “Clickbait: A Guide To Writing Un-Ignorable Headlines,” Ethos3

Not going to lie, it was the title that convinced me to click through to this presentation but the awesome design kept me there once I arrived.

What I like: This simple design adheres to a consistent color pattern and leverages bullet points and varied fonts to break up the text nicely.

16. “Digital Transformation in 50 Soundbites,” Julie Dodd

This design highlights a great alternative to the “text-over-image” display we've grown used to seeing.

What I like: By leveraging a split-screen approach to each presentation slide, Julie Dodd was able to serve up a clean, legible quote without sacrificing the power of a strong visual.

17. “Fix Your Really Bad PowerPoint,” Slide Comet

When you‘re creating a PowerPoint about how everyone’s PowerPoints stink, yours had better be terrific. The one above, based on the ebook by Seth Godin, keeps it simple without boring its audience.

What I like: Its clever combinations of fonts, together with consistent color across each slide, ensure you're neither overwhelmed nor unengaged.

18. “How Google Works,” Eric Schmidt

Simple, clever doodles tell the story of Google in a fun and creative way. This presentation reads almost like a storybook, making it easy to move from one slide to the next.

What I like: This uncluttered approach provides viewers with an easy-to-understand explanation of a complicated topic.

19. “What Really Differentiates the Best Content Marketers From The Rest,” Ross Simmonds

Let‘s be honest: These graphics are hard not to love. I especially appreciate the author’s cartoonified self-portrait that closes out the presentation. Well played, Ross Simmonds.

What I like: Rather than employing the same old stock photos, this unique design serves as a refreshing way to present information that's both valuable and fun.

20. “Be A Great Product Leader,” Adam Nash

This presentation by Adam Nash immediately draws attention by putting the company's logo first — a great move if your company is well known.

What I like: He uses popular images, such as ones of Megatron and Pinocchio, to drive his points home. In the same way, you can take advantage of popular images and media to keep your audience engaged.

PowerPoint Presentation Examples for the Best Slide Presentation

PowerPoint and Google Slides are two popular options for presentations, but which one is best? As someone who has used both programs for a long time, I've found that Google Slides offers many advantages that make it my go-to choice.

Let's be clear: I'm comparing the web-based PowerPoint and Google Slides versions. It's unfair to compare Google Slides to the desktop version of PowerPoint, isn't it? Here are some reasons why Google Slides is my favorite presentation tool.

1. Ease of Collaboration

Ease of collaboration was the central reason I switched to Google Slides for my presentation needs. As a content creator, I always aim for a seamless collaboration experience while dealing with my clients and team members. Google Slides offered exactly that, and I was in love with it.

So, is Google Slides better than PowerPoint for collaboration? It certainly has advantages that make it an ideal choice for a lot of users.

With Google Slides, you can efficiently work with others and share your work , no matter what kind of computer or phone you use. If you have a Google account and the link to the presentation, you can join in and make changes simultaneously with other members.

In contrast, to collaborate in PowerPoint, you have to consider various external factors, such as the user's working device and storage locations. For example, you might not be able to easily collaborate with someone who has an older version of PowerPoint, or with someone using a PowerPoint mobile due to feature limitations. Some things that are restricted in the free web and mobile version compared to PowerPoint on desktop include limited commenting tags, editing options, and more.

Additionally, Google Slides also has built-in chat and commenting features. This feature allows all your team members to stay on the same page and communicate with each other to streamline editing. In PowerPoint, you're limited to comments only.

2. Offline Access

Another important reason for my switch to Google Slides is the offline access feature. With this feature, you can create, edit, and present presentations to others even without an internet connection. Any changes you apply offline are synced automatically once you're back online, so you can keep working even without an internet connection.

You can activate offline access by checking the offline mode option in your Google Drive settings.

Also, with Google Slides, you don't need software installed on your computer to access your presentations offline. However, Microsoft PowerPoint requires an internet connection to save changes to OneDrive storage. No internet, no autosave!

3. Integration With Other Google Tools

Switching to Google Slides is easy if you already use Google apps like Docs, Sheet, Meet, and Gmail. They all work well together. You can import charts and tables from Google Sheets into your presentations with just a few clicks. Any modifications to the original data in Google Sheets will automatically be reflected in your Google Slides presentation.

For example, on Google Slides, open the "Insert" tab and navigate to the "Chart" option. From there, click on the "From Sheets" option and import a chart from Google Sheets.

Furthermore, you can add Google Keep notes to your Slides and share your content in Google Meet with Smart Canvas without switching between tabs.

On the other hand, Microsoft PowerPoint integrates with other Microsoft tools, but it's not as seamless as Google Slides and has limited integration capabilities. For example, unlike Google Sheets, which updates data automatically in Slides, PowerPoint requires you to manual refresh to update Excel charts. This means you need to copy and paste the updated chart from Excel to PowerPoint.

4. More Storage Space

Google Slides offers more storage space through Google Drive. With a Google account, you get 15GB of storage shared across Google Photos, Drive, and Gmail. This is significantly more than what Microsoft offers with its free PowerPoint Web version, which only provides 5GB of OneDrive storage. If you create large presentations with many images or videos, Google's extra storage space can be a significant advantage.

Additionally, Google offers affordable plans to upgrade your storage if needed. For example, you can get 100GB of storage for a $20 annual fee, which is perfect for those who create and store a lot of presentations. However, it's important to note that pricing for additional storage might be different depending on your region.

For detailed information, it's best to check your plans manually by clicking the "Get More Storage" option in Drive.

5. Compatibility With PowerPoint

I know what you're thinking—what if I need to work with someone who only uses Microsoft PowerPoint? Fear not; Google Slides has got you covered. You can import and export PowerPoint presentations into Google Slides, making switching between the two platforms easy.

This feature has been a lifesaver for me when I work with my clients or colleagues who use PowerPoint. I can easily collaborate with them and edit their files without any hassle. After making changes, I can save the Google Slides file again as a PowerPoint file.

You can add your PowerPoint file to Google Slides by either uploading it on Drive or directly opening it from the File > Open option.

6. AI Features

You can also use Google AI tools like Gemini to improve your presentations. For example, the Gemini AI feature in Google Slides allows users to generate images and slides based on their prompts. You can access Gemini from the Slides side panel and input your prompts, such as "Create a slide about," and it will generate slides accordingly.

This feature lets you quickly add relevant and visually appealing presentation content without leaving the Google Slides platform. Using Gemini AI, you can also generate background images in various styles, such as Vector art, Photography, Watercolor, and others.

In contrast, Microsoft AI feature tools like Copilot are not available on the PowerPoint web version. To use Copilot and other AI features in PowerPoint requires a paid subscription to either Microsoft 365 or Copilot Pro.

7. Provide Detailed Version History

Both Google Slides and Microsoft PowerPoint allow you to view and restore previously edited versions of your presentation. However, Google Slides stands out with its detailed version history feature. This feature groups certain versions of your presentation together if you make multiple changes over a short period. This makes it easy to find and select the version you need. These group versions are displayed under the Version History panel.

Another notable feature of Google Slides is the ability to name the modified versions. This is quite useful when working on large documents with multiple collaborators, as it can take time to find the version you want, among many others. To rename a version, open the "Version History" panel, click the three-dot icon, and then select "Name This Version" from the dropdown menu.

Once you've named important versions of your presentation, you can filter them by selecting the "Named Versions" option from the drop menu. This will highlight only the renamed versions, along with the current version of the document, making it easy to locate the version you need.

8. Customization Features and Template Options

The web version of Microsoft PowerPoint has limited features compared to the PowerPoint desktop app, which can sometimes be helpful while designing presentations. For example, you can't insert charts or equations in the web version. Additionally, you can't add hyperlinks to pictures or shapes. On the other hand, you can add equations, charts, and hyperlinks to images in Google Slides.

While both platforms offer a good selection of templates, I prefer Google Slides because its templates are user-friendly and easy to customize. It also provides more flexibility when working with themes compared to the web version of PowerPoint.

Google Slides isn't a flawless tool, but for me and many other presentation creators, it not only gets the job done but also has some advantages over PowerPoint. Whether you're a student, team, or regular user, you can use it to make clear and effective presentations.

Themes and templates help you create content that looks attractive and consistent while avoiding lots of manual formatting.

What is a PowerPoint theme?

A theme is a predefined set of colors, fonts, and visual effects that you apply to your slides for a unified, professional look.

Using a theme gives your presentation a harmonious appearance with minimal effort. For example:

When you add graphics (tables, shapes, and so on) to your slides, PowerPoint applies theme colors that are compatible with other slide elements.

Dark-colored text is shown on a light background (and vice versa), so that contrast is strong for ease of reading.

PowerPoint offers several preset themes. They are on the Design tab of the Ribbon on the left side.

Open a slide. On the Design tab, point at a Theme thumbnail to get a preview of how it would affect the look of your slide.

What is a PowerPoint template?

A template is a theme plus some content for a specific purpose—such as a sales presentation, a business plan, or a classroom lesson.

So a template has design elements that work together (colors, fonts, backgrounds, effects) along with sample slides and boilerplate content that you augment to tell your story.

You can create your own custom templates and store them, reuse them, and share them with others. See Create and save a PowerPoint template .

A template like this can include:

1 Subject-specific content, such as "Certificate of Achievement," "Soccer," and the soccer ball image. Generally this text or content is only editable from the slide master.

2 Background formatting, such as pictures, texture, gradient or solid fill color, and transparency. This example shows the light blue solid fill background.

3 Color, fonts, effects (3-D, lines, fills, shadows, etc.), and theme design elements (such as the color and gradient effects inside the word Soccer).

4 Text placeholders that allow people to enter unique information to customize the slide for their needs, such as "Player's name," "Name of coach," "Date of presentation," and any variable, such as the year.
