Automatically open Powerpoint in presenter mode, on correct screens

We have a laptop that we only use to present an induction course which is just a powerpoint presentation.

We have a second screen hooked up and when the presentation opens up someone has to navigate to and hit the start presentation button, at that point and it opens in presenter view with the notes on the laptop and the presentation on the second screen.

What I'd like to be able to do is avoid that on element of interaction.

Is it possible to launch a power point directly into presentation mode with no additional user interaction?

Save the file in PowerPoint Show (*.ppsx) format . It will open automatically in presentation mode.

From Microsoft's site :

PowerPoint Show .ppsx A presentation that always opens in Slide Show view rather than in Normal view. Tip: To open this file format in Normal view so that you can edit the presentation, open PowerPoint. On the File menu, click Open, and then choose the file.

Note: If you need macros enabled save as a .ppsm. If you're in PowerPoint 2003 the older format you need is .pps.

• it opens the presentation on screen 2 correctly but you don't get the presenters view on screen 1. Can't see an option for configuring it... –  Patrick Jul 7, 2017 at 14:59
• 1 Hmmm. Seems you're right, there's no way to force visibility of the Presenter View in .ppsx files. That's annoying, and weird. So, my next method would be to save as a .pptm (macro-enabled .pptx) and use VBA to launch the slideshow, which would bring up Presenter View. But irritatingly, PowerPoint doesn't allow you to execute macros on open - so we need another workaround. You could download an auto_open PowerPoint add-in to give this functionality, or you could use something like a macro-enabled Excel file to call the .pptx on open. Bit painful but it can be done. –  Andi Mohr Jul 7, 2017 at 15:51
• Frustrating, so close and yet so far. I think I'll just leave an instruction on screen 'open powerpoint, click these two buttons' and be done with it. There is only so much you can automate away :) Thanks for you help. –  Patrick Jul 10, 2017 at 8:38

I achieved this by the following

I Added a macro to the Powerpoint presentation

Then start the powerpoint presentation from the command line with

I used a 2003 presentation in 2016 - so the extension for presentations containing macros is ppt not pptm.

The remaining issue I have is that when I close the presentation it prompts to save - it does not do this if I load and run it using the GUI.

I think I'm a bit late, but this might be helpful to others.

The best way I could find to start in presenter mode is by pressing Alt F5 . It will start from the first slide, though. If you want to start from the current slide, you might need to use the sequence Alt S C . But it doesn't work if you press each individually, they have to be pressed at the same time. Also, this second metho does a weird error sound and I couldn't figure out why.

Anyway, if you are ok about starting on the first slide, Alt S will do just fine.

How to Present a PowerPoint Slideshow (w/ Shortcuts)

There are a variety of ways to start a PowerPoint presention, depending on:

• Where you start your presentation (from beginning or from current)
• Which PowerPoint view you prefer to present in (Slide Show view or Presenter view)
• How comfortable you are with keyboard shortcuts

Why would Microsoft include so many ways to present a presentation? My guess is that everyone learns PowerPoint differently, and has personal presentation styles.  The more options you have, the easier your life will be as there will always be a way to start your presentation the way you want to (or jump back into it when you need to).

See all the options below and find the method that works best for you and let the slide show begin !

NOTE: If you are running two presentations side-by-side, each presentation needs to be started as it’s own slide show. To see how to set up two PowerPoint presentations to run side-by-side like this before you start your slide show, read my guide here .

Start slide show from beginning.

To start a slideshow from the beginning of your presentation using the ribbon, simply.

• Navigate to the  Slide Show tab
• Select  From Beginning

Selecting  From Beginning  starts your presentation from the very first non-hidden slide in your presentation, regardless of which slide you are currently inside of your deck.

You can also start your slide from the beginning of your presentation by hitting the Slideshow From Beginning keyboard shortcut,  F5 .

Regardless of which method you use, this is the classic way to start your presentation in full screen from your first title slide (regardless of where you are in your slide deck).

Let the slide show begin!

Take your PPT skills to the next level

Start slide show from current.

To begin your slide show from the slide you are currently on using the ribbon, simply

• Navigate to the Slide Show tab
• Select  From Current Slide

Selecting From Current Slide starts your slide show from whatever slide you are currently on, even if the slide is hidden.

You can also start your slide from the current slide you are on by hitting the  Shift+F5  keyboard shortcut.

Because it’s often easiest to catch errors when building your slides in this full screen mode, I highly recommend learning the  Shift+F5  shortcut and using it frequently as you build your slides to spot them for errors.

If you don’t want to bother learning the From Current Slide shortcut, you can also start your slideshow by clicking the  Slide Show  icon at the bottom of your screen.

This is a fantastic way to spot check your slides as you are building them. On top of that, it’s a fast and uncomplicated way to re-start your presentation from where you left off after demoing something on screen.

Start a mini-slide show in PowerPoint

You can also use the following hidden PowerPoint shortcut to run a mini slide show over the top of your current deck.

To run a mini slide show, simply:

• Hold down the  Alt key  on your keyboard
• With your mouse, click the  Slide Show  icon

Doing so starts a small slide show of your presentation that you can see below, from the current slide you are on.

Presenter View

The Presenter View is an alternate way to run your presentation in PowerPoint. In this view, your slides are projected on screen, and the details of your presentation are displayed on your computer as pictured below.

The presenter view includes your next (non-hidden) slides that is coming up, your current slide projected on screen, how long you’ve been talking and your speaker notes.

To launch the  Presenter View  from the beginning of your presentation using your Ribbon, simply:

• Navigate to the  Slide Show  tab
• Hold down the  Alt key on  your keyboard
• Click  From Beginning

Holding down the  Alt key  and clicking  From Beginning , the Presenter View will launch from the very first (non-hidden) slide in your presentation.

You can also launch the presenter view from the beginning of your presentation at any time by clicking Alt + F5  on your keyboard.

Start Presenter View in PowerPoint From Current Slide

Did you know that you can access different views in PowerPoint by adding keys as you click commands in the PowerPoint ribbon?

To start the Presenter view from your current slide using your Ribbon, simply:

• Hold down the Alt key on your keyboard
• Click  From Current Slide

Holding the Alt key and clicking From Current Slide launches the Presenter View from your current slide. So, this is another way you can quickly practice your presentation, see your speaker notes and see what’s coming up next.

You can also launch the Presenter View from the beginning of your presentation at any time by hitting Alt+F5 on your keyboard.

Showing and Hiding Presenter View

Regardless of which view you start your PowerPoint slide show; you can switch between the two different slide show views without exiting presentation.

To switch between the two slideshow views (while giving your presentation), simply:

• Right-click your slide in whichever presentation view you are currently in
• Select either Show Presenter View or Hide Presenter View

When would you use a feature like this during a presentation? One example is if you want to view your notes without leaving the slide show mode.

NOTE: The letter r  for both  Show Presenter View  and  Hide Presenter View  is underlined. This means that it is a keyboard shortcut. So, if you want to quickly flip between these two presentation views, you can simply right-click your slide and hit the letter r on your keyboard. Doing so automatically switches the view you are in.

Controlling how your presentation runs

Another way to control how your presentation runs (including the default laser pointer and pen color), is the Set Up Slide Show dialog box.

To open the  Set Up Slide Show  dialog box, simply:

• Select the  Set Up Slide Show  command

Doing so, opens all your PowerPoint slide show settings and options as pictured below.

Inside the slide show settings dialog box, you can select:

• How your presentation runs (full screen, window or in kiosk mode).
• Your default pen and laser pointer color options ( see our laser pointer article here ).
• Which slide you want start from, or which slides you want to show. You can also setup a custom show here.
• How your slides progress (manually or using slide timings).
• Which of your computer monitors (or screens) your slide show runs on.

The  Set Up Slide Show dialog box is also the secret to running multiple presentations at the same time in PowerPoint. To expand your knowledge and learn how to set this up, read our guide here .

Setup Slide Show SECRET Shortcut

To use the SECRET shortcut to open the Set Up Slide Show dialog box, simply:

• Hold down the Shift key on your keyboard
• With your mouse, click the Reading View icon at the bottom of your screen

This is useful when you need to quickly cycle through lots of PowerPoint presentations and change how those presentations run. Instead of wasting time clicking through the Ribbon, simply hold the Shift key and click the  Reading View icon. This is also a friendly conversation starter with a fellow PowerPoint enthusiast at Happy Hour.

NOTE: The color of your Reading View icon might be different than in the picture above, as it is dependent on the Office Theme you selected for PowerPoint.

How to exit a PowerPoint presentation early?

Regardless of how you start your full screen presentation, you can end your presentation at any time by hitting the Esc key on your keyboard.

Hitting  Esc  immediately takes you out of the   PowerPoint presentation mode and back to the normal editing view of your slides, on whatever slide you were last presenting.

Here is how you can use a combination of all the different keyboard shortcuts to spot check and practice your presentation in full screen before you finalize your presentation.

• Hit  F5  on your keyboard to   start your presentation in full screen from the very first slide in your presentation. You can then use your arrow keys to advance, spot checking your slides for errors.
• When you find an error, simply hit  Esc  key to return to the normal PowerPoint editing view to fix your slide.
• When you are done, hit  Shift + F5  to return the full screen presentation mode from the slide you just updated. You can then continue spot checking your presentation (without having to start over from the beginning).

In this way you can quickly work your way through your slides and practice your presentation, fixing and adjusting your content as you go.

Understanding how to run your presentations is CRITICAL to the success of your presentation. Not only in presenting them live, but also in knowing how to spot check your slides as you build them.

I personally find it easiest to spot check your slides and quickly fix errors by running your presentation in slide show mode (or full screen). The last place you want to discover an error is during your presentation.

Using the commands and shortcuts above, you can quickly start, exit and step back into your slide show. Once you have these commands and features down, you will also look like a whiz during your presentations.

How to Use the Presentation Modes and the Screen Recording Features in PowerPoint

After designing all the slides for your presentation, the next and last step is presenting in front of your audience. In this new Slidesgo School tutorial, you’ll see how the presenter view works and how you can record your presentation .

Presentation Modes

Presentation modes — set up slide show, presentation modes — record slide show.

• There are different presentation modes in PowerPoint, besides the one you can find at the bottom of the screen.
• To access the presentation modes, go to the Slide Show tab.
• The first two options allow you to start the presentation from the beginning or from the currently selected slide.

• If you choose Present Online, an URL will be generated, which you can then share with your potential online viewers. After clicking this button, a new window will open, displaying info about the Microsoft Office online presentation service and a checkbox to enable remote download for your online audience. To enjoy this service, you need an Office 365 account. When you’re ready, click Connect to generate the URL.
• If you choose Custom Slide Show, you can select which slides to display in your presentation.  First, create a new custom slide show and select the slides that you want to display. Then, click Add, enter the name of the presentation and click OK. This new custom presentation will appear on the list. Select it and click Show to begin the presentation.
• In the Set Up group you’ll find options to set up the presentation, hide slides, rehearse your presentation and even record it.
• Click Set Up Slide Show to adjust several settings regarding your presentation. You’ll find more information in the next section of this tutorial .
• If you click Hide Slide, the selected slide won’t show up during your presentation. Hidden slides will appear faded out on the list and their numbers will be crossed out.
• If you click Record Slide Show, you’ll be able to record your presentation from the beginning or from the current slide. We’ll go into detail in the last section of this tutorial.
• There are several checkboxes regarding whether to play narrations, use timings and show media controls.

• In the Monitors group you can choose which screen to display your presentation.
• The last group, Captions & Subtitles, is only available in Office 365. You’ll find options to enable subtitles, which will be generated out of your speech (so you’ll need to have a mic). There are settings to change the language and the position of the subtitles.
• Open your presentation in PowerPoint.
• Go to the Slide Show tab.
• In the Set Up group, click Set Up Slide Show. A new window will open, where you’ll find several options.
• In the top-left corner, under “Show type”, you can choose whether the presentation will be in fullscreen with speaker notes, windowed, or in fullscreen without speaker notes or the menu bar.

• Under “Show options” you can choose whether to show the presentation without narration or animations, or disable the hardware graphics acceleration (for better performance). You can also set the pen and laser pointer color.

• Under “Show slides”, you can choose which slides to show in your presentation. You can select all of them, a specific range or a custom slideshow.
• There are other settings to determine how to advance slides (manually or using timings), what the resolution will be and whether to use the presenter view.
• Click Record Slide Show. From the drop-down menu, select From the Current Slide or From the Beginning.
• A new window will open, along with the presentation in fullscreen mode. At the top-left you’ll find a button to start recording.

How to Work with Presenter View in PowerPoint

Not all presenters have excellent memory recall or the ability to speak flawlessly to the audience without any cues. However, many of them are good at hiding it by using Presenter View in PowerPoint. It is a presentation mode that enables the presenter to hide speaker notes and presentation controls from the audience while leveraging the various handy features offered by PowerPoint.

How to Use Presenter View in PowerPoint

To start using Presenter View, ensure it’s enabled before you begin your slideshow. If you are new to this feature, we recommend using this option to familiarize yourself with the various navigation options for this presentation mode. This might also be helpful if the PowerPoint templates you are accustomed to using might have animations that you might want to preview in this mode to understand when to give the next visual cue.

How to Enable Presenter View in PowerPoint

To enable PowerPoint presenter view, go to the SlideShow tab and make sure the Use Presenter View option is enabled. This will ensure that you can access Presenter View when you switch your slides to SlideShow mode.

Adjust Display Settings

You can swap between the presenter view and slideshow mode or duplicate the slideshow to exit the Presenter View from the Display Settings menu from the top toolbar.

Navigate Slides in Presenter View

Like any standard PowerPoint presentation in SlideShow mode, you can navigate between slides by using the arrow keys or with a presentation remote. Presenter View also provides slide navigation buttons to move the slides back and forth.

View Taskbar in Presenter View

The Show Taskbar option at the top enables viewing the taskbar. This can be helpful if you require using the taskbar, such as to view your battery charge, see the time, enable or disable another app from the taskbar menu, etc.

Reset or Pause the Timer

Once you start your presentation in Presenter View, a timer starts showing how much time you have spent in slideshow mode. This is an excellent way to understand how much time you have consumed for your session and to keep an eye out for good timekeeping. You can also hit Pause or reset the timer anytime.

Change the Size of the Speaker Notes

How to view notes in PowerPoint while presenting? If you have any speaker notes added to your slides, they will appear in Presenter View on your screen. You can increase or reduce the size of the text via the two options at the bottom of the speaker notes pane.

Using Annotation Tools in Presenter View

PowerPoint annotation tools can be accessed from the bottom toolbar in Presenter View. The Pen and Laser Pointer Tools button gives you access to the pen, ink colors, laser pointer, and eraser and also allows you to show or hide the mouse pointer via Arrow Options .

View All Slides in Presenter View

If you need to go back and forth to find a relevant slide for an ongoing discussion or query during your presentation, you can view all slides in Presenter View via the See all slides option.

Zoom Slides using Presenter View

PowerPoint’s Zoom feature lets presenters quickly pick a portion of the slide to zoom into. Presenter View allows you to leverage this feature by instantly selecting a portion of the slide to enlarge it after selecting Zoom into the slide option. To exit the Zoom mode or hit the Esc key.

Black or Unblack SlideShow

Sometimes, you might want to turn the screen blank for a while, such as during a mid-presentation break. The Black or Unblack SlideShow option blanks the slides for your audience while continuing to show you all navigation options via Presenter View.

Toggle Subtitles in Presenter View

One of the most revolutionary features introduced by Microsoft for PowerPoint over the past decade has been Live captions. This feature enables subtitles by converting speech to text as you present. You can toggle Live subtitles on or off while in presenter view to help your audience read what you speak.

Toggle Camera in Presenter View

Like subtitles, you can also toggle the camera on or off in Presenter View.

End Slideshow in Presenter View

There are different ways to end or exit a SlideShow from Presenter View. You can hit the Esc key or click End Slide Show . Similarly, you can click the three dots at the bottom and select End Show .

More Slideshow Options

Other than the various visibility prominent menus available to navigate, annotate, and present your slides, you can also find a few additional options via More slideshow options , which are accessible via the three dots at the bottom toolbar. These include adjusting the position of the subtitles, turning your screen white or black, ending the slideshow, etc.

How to Use Presenter View on a Single Screen

While Presenter View can be enabled to work with dual monitors, you can also use Presenter View on a single monitor with remote meeting apps like Zoom. A simple method for switching to Presenter View on a single monitor is to click the three dots ( More slideshow options ) at the bottom in SlideShow mode and select Show Presenter View .

You can also switch to Presenter View on a single monitor anytime using the ALT+F5 hotkey.

The presenter can easily manage a PPT in presentation mode, with the utility to view speaker notes, annotate or zoom slides, toggle subtitles or camera on or off, and keep your audience engaged via better slideshow management. However, if you’re new to this presentation mode, a bit of practice might help you avoid confusion when presenting before an audience in Presenter View for the first few times.

To open or view an existing PowerPoint file, double-click on the file from the folder. Alternatively, open the PowerPoint application. Then, click on “File>Open>Browse”, and locate the file on your computer to open it. To open a new presentation file, simply click on “File>New>Blank Presentation”.

The process of opening a PowerPoint presentation is actually quite simple and it only takes a few seconds. So, in this article, first we will take you through the process of opening a presentation step-by-step in a visual manner. Then, I will provide answers to all questions related to opening a PowerPoint presentation!

So, let’s get started!

1. How to Open a PowerPoint Presentation? 

There are a couple of different methods in which you can open a PowerPoint file. Both the methods are actually quite easy.

The first method requires the least number of steps. To open or view a PowerPoint presentation simply locate the PowerPoint file on your computer, and double-click on it. You can also right-click on the file, and from the dropdown menu, click on “Open”.

The second method requires you to start the PowerPoint application first.

If you do not see the PowerPoint icon on your desktop or taskbar, just go to the search bar and type ‘PowerPoint’ using your keyboard to find it. After opening the PowerPoint application, all you have to do is select your presentation file to open it. Just follow the steps below:

1a. How to Open a New PowerPoint Presentation?

Follow the steps below to open/create a new PowerPoint Presentation:

Step-1: Click on the “File” Menu button

At the top left side of your Microsoft PowerPoint application, you will find the ‘File’ menu option. The first step is to click on it.

Step-2: Click on “New”, and select the “Blank Presentation” button

Then, from the PowerPoint Backend view, you need to click on “ New “.

Now on your screen, you will find an option that says ‘Blank Presentation’ for you to click on. A new PowerPoint presentation with a blank slide will be created once you click on it.

You can also choose to click on any of the templates below to go with a pre-made design theme.

1b. How to Open an Existing PowerPoint Presentation?

It is common to have PowerPoint presentation files saved in different folders of your computer. There are two very easy ways to open these existing PowerPoint presentation files.

You can either open an existing PowerPoint file by browsing to the folder it is stored in and double-clicking on the file. Or you can open it from the Microsoft PowerPoint application itself. I’ll discuss both of the ways below:

Opening an existing PowerPoint Presentation file from the file location

Step:-1: Go to the folder your PowerPoint Presentation file is stored in

Open the folder where you had saved your PowerPoint presentation file. It could be on any of your local drives, or if you have recently downloaded the file, it could be on the ‘Downloads’ folder.

Step-2: Double-click on the PowerPoint Presentation file.

‘ Left click’ on the file twice using your mouse to open it. You can also ‘Right click’ on the file once and from the dropdown menu click on the ‘Open’ option to open the file on your Microsoft PowerPoint application.

Opening an existing PowerPoint Presentation from the Microsoft PowerPoint Application

Step-1: Open the Microsoft PowerPoint application and go to the “File” menu

The first thing you have to do is open the Microsoft PowerPoint application and click on the “ File ” menu option on the top-left corner of the screen.

Step-2: Click on ‘Open’, and then ‘Browse’

Clicking on the File option will open the background view of PowerPoint. Then, click on “ Open “

In the ‘Open’ tab, you will find all the Presentation files you have used/viewed recently under the ‘Recent’ section. If the file you want to open is not present here, simply click on ‘Browse.’

Step-3: Go to the file location click on it to select it.

After that, a window will pop up using which you can use to choose the file you want to open. Go to the folder containing the PowerPoint presentation file and select it by ‘Left-clicking’ on its name.

Step-4: Click on ‘Open.’

After selecting the file, click on ‘Open’ to get the job done. You can also edit the slides by clicking on ‘Enable Editing.’

You can follow any of the two methods mentioned above to open an existing PowerPoint Presentation file.

1c. Shortcut Key to Open a Presentation in PowerPoint 

You can open both a new PowerPoint Presentation as well as an existing PowerPoint file using shortcut keys.

Here are the shortcut keys to open a PowerPoint presentation –

• To open a new PowerPoint presentation – Press “Ctrl+N” (Cmd+N on Mac)
• To open an existing PowerPoint presentation – Press “Ctrl+O” (Cmd+O on Mac)

Remember, in order to use the above shortcut keys, you need to open the PowerPoint application first on your computer.

2. How to Open a PowerPoint Online? (Using OneDrive)

Microsoft PowerPoint can also be saved online. Microsoft actually has integration with its own cloud service called OneDrive. In fact, if you are using Microsoft Office 365 , you also get free cloud storage of up to 1 TB with your account!

When you try to open an online version of a PowerPoint file, you will need to do so using OneDrive. In the following steps, I will show you how to open a PowerPoint Presentation file online using OneDrive:

Step-1: Click on the “File” menu

The first step, as usual, is to click on the “ File ” menu option. This will open the backend view of PowerPoint.

Step-2: Click on “Open” and choose “OneDrive”

From the backend view, click on the “ Open ” option. Then, click on “ OneDrive “. You may need to login into your OneDrive account. Then, navigate to the respective folder containing the PowerPoint file.

Step-3: Select the File and Click “Open”

Navigate to the designated folder on OneDrive that contains the PowerPoint file. Select it and then click “Open”.

PowerPoint will then download the file for you. Once it opens the online file, you will notice that the “ Autosave ” feature in PowerPoint will be turned on.

This basically means, every time you make a change to the file, it will automatically reflect in the file saved online in OneDrive!

How to Open and View a PowerPoint file in OneDrive?

You can also view the same PowerPoint file using your internet browser. All you need to do open the OneDrive login page and log in to your OneDrive account using your email address and password.

Once you are logged in into your OneDrive account, follow the below mentioned steps –

Step-1: Locate your PowerPoint file and Click on it

If you already have the file uploaded, then simply navigate to the respective folder, locate the file and click on it.

Step-2: Start Editing the File

Your file will be opened in a new tab on your browser. You can directly start editing the PowerPoint file online!

The best part is, you don’t even need to have the PowerPoint application installed to edit, open or view a PowerPoint presentation online file!

3. How to Open a PowerPoint Presentation in Google Slides? 

Google Slides in one of the most popular online tools out there for creating and opening presentations. You can also use Google Slides to open you PowerPoint Presentation file with just a few clicks. Follow the steps below:

Step-1: Go to Google Slides and click on ‘Open File Picker’ option

To open a PowerPoint Presentation in Google Slides, the first step is to log in to your Google account and go to Google Slides. Then, click on the “ Open File Picker ” option – the icon that looks like a file folder (see the image above).

Step-2: Go to the ‘upload’ section for uploading the presentation file

Since Google Slides is cloud-based, the next step is to upload the Presentation file. To do that, from the pop-up window, go to the ‘Upload’ section. Now click on ‘Select a file from your device.’

Step-3: Locate your PowerPoint Presentation file and click on ‘Open.’

From the pop-up window, go to the folder containing the Presentation file and select it. Then click on ‘Open’ to upload the file from your computer. It might take a few seconds to upload and load the Presentation file on Google Slides. That’s it!

4. How to Open a PowerPoint Presentation in Keynote on Mac? 

To open a Microsoft PowerPoint Presentation on Apple’s Keynote application, just follow the steps below:

Step-1: Open ‘Keynote’ and locate your PowerPoint Presentation file

On your Mac Computer open the ‘Keynote’ application. From the window, navigate to the folder containing the PowerPoint Presentation file.

Step-2: Select your Presentation file and click on ‘Open.’

After locating your PowerPoint Presentation file on Keynote, simply click on it to select it. Then click on ‘Open’ to access it. A window might appear stating that some changes were made while importing the file, which is quite normal for highly customized PowerPoint files.

Step-3: View or Edit the PowerPoint file in Keynote

Once the file is opened in Keynote, you can now view or edit the file directly in Keynote just as you would on any other presentation design application!

5. How to Open a PowerPoint Presentation Without PowerPoint? 

Incase you do not have PowerPoint installed on your computer or do not have access to PowerPoint, you can still open a PowerPoint presentation file through various means. I’ll be discussing some of the ways to open a PowerPoint Presentation without PowerPoint below:

Method 1 – Using Online Tools

If you don’t have PowerPoint installed on your computer, you can still view a PPT or PPTX file. One of the best ways to view it is using online tools.

Two of the most commonly used FREE online tools are ‘Google Slides’ and ‘One-Drive’ . Both these methods have been discussed previously in this article. Thus, I would recommend going through them once again if you need some help on that.

Method 2 – Using Aspose Slides Viewer

Another method is using the “Aspose Slides Viewer”. Using this online tool, you can open your Presentation files. It supports PPT, PPTX, PPS, and ODT files that are amongst the most common PowerPoint Presentation formats.

Here’s how to use Aspose Slides Viewer tool to open PowerPoint Presentations –

Step-1: Go to Aspose Slides Viewer using an Internet Browser

The first step is to open your Internet Brower and go to: https://products.aspose.app/slides/viewer

Step-2: Click on ‘Drop or upload your file’

Once the webpage is done loading on your browser, click on ‘ Drop or upload your file.’

Step-3: Locate your file and click on ‘Open’

From the pop-up window, go to the folder containing the PowerPoint Presentation file and select it. Then click on ‘Open’ to upload the file from your computer to Aspose Slides Viewer. Once the upload is finished, you will be able to view the PowerPoint Presentation on your screen.

The good part about Aspose Slides Viewer is that it is completely FREE. When viewing the ppt file, it shows a surprisingly accurate representation of the presentation. You can also edit the PPT file. However, the options are quite limited. So, it can be used for basic text editing at the very best!

Method 3 – Using Third-Party Applications

There are a few Third-Party Applications out there, which you can use to Open PowerPoint Presentation files. Two of the most common among them are ‘LibreOffice Impress’ and ‘Kingsoft Presentation Professional.’

LibreOffice supports almost all types of PowerPoint files including PPT, PPTXS, PPTX, PPTS. It allows you to not only open PowerPoint presentations but also make necessary customizations. You can download it for free from here .

Kingsoft Presentation Professional is another standard presentation tool with lots of in-built features. It is quite similar to Microsoft PowerPoint and supports PPT and PPTX files. Download Kingsoft Presentation Professional from here .

6. How to Open PowerPoint in Presentation Mode? 

You can directly open your PowerPoint Presentation file in Presentation Mode, instead of having to normally opening it first and then changing the view mode. This might be time saving for some, as you will be able to start your presentation with just a few clicks. Follow the step-by-step guide below to find out the process:

Step-1: Go to the folder which contains your PowerPoint Presentation file

Go to the folder on your computer where you have saved your PowerPoint Presentation file. ‘Right Click’ on the file to open a dropdown menu.

Step-2: Click on ‘Show’

From the dropdown menu, click on the fourth option that says ‘Show.’ This will directly open the PowerPoint file in Presentation Mode.

If you have a “.pps” or “.ppsx” file, you don’t need to right-click on it. These files are designed to be directly open as slideshow!

7. How to Open PowerPoint in Safe Mode? 

Opening Microsoft PowerPoint in Safe Mode means opening the application without any add-ons, extensions, or other forms of customizations you might’ve made.

AutoCorrect and a few other features will also not work while in Safe Mode. You can both open the Microsoft PowerPoint application in safe mode or a particular PowerPoint Presentation file.

I’ll be discussing both of them below:

Opening the Microsoft PowerPoint Application in Safe Mode

Step-1: Press ‘Ctrl’ while opening the Microsoft PowerPoint Application

To open the Microsoft PowerPoint application in Safe Mode, hold the ‘Ctrl’ button of your keyboard and ‘Left Click’ on the Microsoft PowerPoint Icon on your taskbar, start-menu, or desktop.

Step-2: Click on ‘Yes’ to enable Safe Mode.

A dialogue box will appear where you will be asked if you want to start Microsoft PowerPoint in Safe Mode or not. Click on ‘Yes’ to open the PowerPoint in Safe Mode.

Opening a specific PowerPoint Presentation on Safe Mode:

To open a specific PowerPoint Presentation file on Safe Mode, follow the steps below:

Step-1: Hold the ‘Ctrl’ Key and click on the PowerPoint file

Browse to the folder on your computer where you have you have saved your presentation file. Now, while holding the ‘Ctrl’ button on your keyboard, ‘Left-click’ on the file to open it on Safe Mode. A dialogue box will appear on your screen.

Step-2: Click on ‘Yes’ in the Prompt that opens up

You will now be asked if you want to open this PowerPoint file in Safe Mode. Click on ‘Yes’ to get the job done!

8. How to Open a PowerPoint Presentation on Zoom?

Zoom meetings has now become an integral part of our lives, both in terms of work and education. The global pandemic has forcefully replaced on-stage presentations with virtual ones and Zoom is one of the most popular choices for it.

If you want to open a PowerPoint presentation on Zoom, follow the steps mentioned below –

Step-1: Open the PowerPoint presentation on your device

The first step is to open the PowerPoint Presentation file on your computer using Microsoft PowerPoint. You can do that by either ‘ Left-Clicking’ on the file from its location or going to the ‘Open’ tab on Microsoft PowerPoint and selecting the file from the ‘Browse’ option.

I have discussed this in detail on the points above.

Step-2: Open Zoom meeting and click on ‘Share Screen’.

Join or launch a Zoom meeting where you will be sharing your PowerPoint presentation. Click on the option that says ‘Share Screen’ at the bottom.

Step-3: Click on ‘Share’ option

A new window will pop-up where you will find all the applications opened on your computer. Hover your cursor over the ‘ PowerPoint Slide Show’ window and click on it. Now click on the option that says ‘Share’ at the bottom right corner of your screen.

Step-4: Open the PowerPoint presentation in Zoom

Once you click on ‘Share’ , the PowerPoint presentation file will be opened in Zoom and all the participants in the meeting will be able to view your screen. You can stop sharing your screen by clicking on the option that says ‘Stop Share.’

Any link to PowerPoint presentations (PPT, PPTX, or PPSX files) takes users to the Edit mode of the file. Even if the users don’t have permission to edit, SharePoint opens it in edit mode with a banner saying you can’t edit the file. So, How to force slide show mode for PPT’s?

Thanks for your post. We are experiencing the same problem with PowerPoint presentation links not opening up in slideshow mode – even if “view only”. I have used your URL format and this works to open the PowerPoint in presentation mode but ONLY for those that are logged into SharePoint Online.

We want to share the URL for anyone to view (outside of the organisation too) with the only necessary requirement being a web browser to open it. When the URL is clicked the presentation should open straight into slideshow mode without a need for any log in.

Do you think this is something that is possible? Any advice?

PowerPoint presentations in a window not full screen

PowerPoint presentations don’t have to be full-screen, that’s the default and normal way to show a deck, but a window option is also there.  A windowed presentation lets you display the slides in other software like virtual cameras or desktop capture.

Go to Slide Show | Setup Slide show and choose ‘Browsed by an individual (window)’.

The options are the same in PowerPoint for Windows or Mac.

Start the slide show (Slide Show | From Beginning or From Current Slide) as usual except now it appears in a resizable window.

Windowed presentation controls

There are back and forward slide buttons on the bottom status bar (see above).

Click on the icon between those two buttons to see some more options.

The same options appear if you right-click in the presentation while windowed.

• Next / Previous
• Go to Slide – choose a slide from the flyout list.
• Go to Section – for decks in Sections
• Zoom In / Zoom Out
• Print Preview and Print
• Edit Slides
• Full Screen

It would be really nice if Presenter View could appear in a second window – but alas it’s not an option. That would let the use control the presentation properly while the slides appear in another window (which could be visible via a third-party tool).

Switching Full Screen and window slide show

Starting from a windowed presentation means you can switch between Full Screen and the window presentation without showing the entire PowerPoint menus etc.  It’s a little neater and more professional.

Go to Full Screen from the menu option.

In Full Screen mode press Escape to return to the windowed presentation.

Why use a windowed PowerPoint presentation?

Having the slides in a resizable window gives you options not available when the deck is taking up the whole screen.

A windowed presentation can be selected as an input option for a virtual camera or other service which lets you choose to display a selected running program.  Full screen PowerPoint can’t be selected but the same slide can be chosen from a windowed presentation.

Top 11 Fixes for PowerPoint Not Opening on Windows 11

Even with free alternatives like Keynote and Google Slides, Microsoft PowerPoint remains the preferred choice among consumers, marketers, and professionals. It has native apps on most platforms and valuable features like Designer to create eye-catching presentations quickly. But what if PowerPoint fails to open in the first place on Windows 11? If you frequently face the same, check the best ways to fix PowerPoint when it is not opening on Windows 11.

1. Restart Microsoft Office

You should restart Microsoft Office services and try opening PowerPoint again.

1. Right-click on Windows key and open Task Manager .

2. Use the search bar at the top and type Microsoft Office .

3. Select Microsoft Office and hit the End task button in the top right corner.

2. Check If PowerPoint Is In Use By Another Process

If you attempt to perform several tasks simultaneously in PowerPoint, the app may not respond to your actions. You should let the app complete a task before attempting other actions.

3. Check Possible Issues with Add-ins

While add-ins improve your overall PowerPoint experience, they may occasionally create a conflict with the app. Here’s how you can disable irrelevant add-ins from PowerPoint.

1. Press the Windows key and type PowerPnt /Safe .

2. Hit Enter , and the system will run the command to open PowerPoint in safe mode.

3. If PowerPoint is opening with any problems, disable add-ins.

4. Select Options from the bottom left corner.

5. Open Add-ins . Click Go .

6. Select an add-in and click Remove .  

You can now restart PowerPoint and try using it again.

4. Repair Microsoft Office

If you face unusual behavior with Office apps on Windows, repair it from system settings. It’s one of the effective ways to fix PowerPoint not opening on Windows 11. Here’s what you need to do.

1. Press Windows + I keys to open Settings .

2. Click Apps from the sidebar. Open the Installed apps menu.

3. Scroll to Microsoft 365 . Click the three-dot menu beside it.

4. Open Modify .

5. Select Quick Repair and follow the on-screen instructions.

5. Online Repair Microsoft Office

If repairing Microsoft Office doesn’t resolve the issue, it’s time to reset it.

1. Open the Installed apps menu in Windows Settings (refer to the steps above).

2. Head to Microsoft 365 and open Modify .

3. Select Online Repair from the following menu and confirm your decision.

Open Microsoft 365, and the app may ask you to log in with Microsoft account details to sync files. If PowerPoint still isn’t opening, continue reading to try other tricks.  

6. Change the Default Printer

PowerPoint loads a default printer, and if you have selected the wrong printer, the app may crash on startup.

1. Open Windows Settings by pressing the Windows + I keys.

2. Select Bluetooth & devices from the sidebar.

3. Open Printers and scanners .

4. Disable the Let Windows manage my default printer toggle.

5. Select your preferred printer and hit Set as default at the top.

PowerPoint should open without any problems on your computer.

7. Unblock a File

Windows may block specific files from another computer for security purposes. PowerPoint may not open on Windows if you are trying to open such files.

1. Open File Explorer and right-click on such a file.

2. Open Properties .

3. It will open the General menu. Find Unblock under Security . Click it.

Hit Apply , and you are good to go.

8. Update Microsoft PowerPoint

You can update Microsoft PowerPoint from any Office app. Here’s how.

1. Open Microsoft OneNote or Word on your computer.

2. Select File at the top and move to your Account.

3. Expand Update Options and select Update Now .

Download and install the latest Office update to fix PowerPoint not opening on Windows 11.

9. Reinstall Microsoft Office

When none of the tricks work, it’s time to reinstall Microsoft Office on your computer.

1. Open the Installed Apps menu in Settings (check the steps above).

2. Click the more menu beside Microsoft 365 and select Uninstall .

3. Head to Microsoft 365’s official website and download the latest version.

10. Check OneDrive Status

Are you trying to open a PowerPoint presentation from your OneDrive account? If OneDrive is facing server-side issues, PowerPoint won’t open. You must head to Downdetector to confirm server-side issues and wait for Microsoft to fix the problem.

11. Try PowerPoint Web Version

Although it’s not as feature-rich as the web version, you can use the PowerPoint web version to make minor edits on the go. However, we won’t recommend PowerPoint web to create new presentations from scratch.

Using PowerPoint online in a non-full screen presentation mode

For reasons that are not important here, I need to be able to use PowerPoint online to make a presentation in presentation mode, but I do not want it to be full screen, because I need to be able to manipulate the presentation window to allow another window to be on top of it.

This is easy to do in the desktop application using the "Browsed by an individual" set up for the presentation, but PowerPoint online (at least the version I have) does not have that option.  

I have found that after the presentation starts in full screen mode I can implement the command "Exit Full Screen", either by going to a browser menu that pops up at the top of the screen, or by pressing control-command-F.  Here is the funny and frustrating part.  When I do this, only SOMETIMES does it go into a non-full screen presentation mode that satisfies my need.  Other times it just stops the presentation.

This happens in Chrome and Firefox browsers.  Safari is not an option because it lacks another feature I need.

Any ideas on how to get PowerPoint online in a non-full screen presentation mode consistently?

I'm on a PC right now but this might be workable on a Mac

Open online in edit mode and resize the window

Run the show which will open full screen

CTRL T to open a new Tab (adjust for Mac)

Switch back to the show Tab

Create a presentation

Create a presentation in powerpoint for the web.

With PowerPoint for the web running in your web browser, you can:

Create presentations that include images, videos, transitions, and animations.

Get to your presentations from your computer, tablet, or phone.

Share and work with others, wherever they are.

If you're using the desktop version of PowerPoint on a Windows PC, see the PowerPoint Quick Start .

If you're using the desktop version of PowerPoint on a Mac, see Office for Mac Quick Start Guides and PowerPoint for Mac Help .

Create, open, and name a presentation

Go to powerpoint.office.com .

Select New blank presentation , open a Recent file, select one of the themes , or start with a presentation template .

To name the presentation, select the title at the top and type a name.

If you need to rename the presentation, select the title and retype the name.

Add a slide

Select the slide you want your new slide to follow.

Select Home > New Slide .

Select Layout and the you type want from the drop-down.

When working in PowerPoint for the web, your work is saved every few seconds. You can select File > Save a Copy to create a duplicate copy in another location.

Or choose File > Download As to save a copy to your device.

When you're online, AutoSave is always on and saves your changes as you work. If at any time you lose your Internet connection or turn it off, any pending changes will sync as soon as you’re back online.
