Present your slide show

Play a slide show.

On the  Slide Show  tab, in the  Start Slide Show  group, select  From Beginning :

Start a slide show from the beginning.

Move through the slide show

Use presenter view to run your slide show.

Using Presenter view is a great way to view your presentation with speaker notes on one computer (your laptop, for example), while only the slides themselves appear on the screen that your audience sees (like a larger screen you're projecting to). For complete details, see Start the presentation and see your notes in Presenter view .

Open the presentation that you want to play as a slide show.

Do one of the following:

Note:  You can also play a slide show by clicking the same options on the Slide Show tab.

To see a list of keyboard shortcuts that you can use to move through slides and manage the slide show, hold down CONTROL while you click the mouse, and then click Help .

To end the slide show when you finish presenting, press ESC .

Set how your slide show is projected on two displays

When you play a slide show with two displays connected, your audience sees the full screen slide show on one screen while you see the presenter view on the other by default. If you prefer to play the slide show in full screen view on both displays, you must change the setting before you start the slide show so that the slide show is mirrored.

You can run your presentation in PowerPoint for the web with an Internet connection and a web browser.

Present your slide show 

Go to Slide Show  on the ribbon.

After a short time, the control bar may disappear. If so, you can move your cursor to the lower-left corner and it will reappear. You can also toggle (on/off) with 'T' on the keyboard. 

Several actions are available via the control-bar buttons to do the actions described here. Rollover tool tips also appear for these.   

Loop a slide show

You can show your presentation to an audience with PowerPoint Mobile.

Start presenting

On the Slide Show tab, in the Start Slide Show group, select From Beginning or From Current Slide .

Start a slide show from the beginning or from the currently selected slide.

Presenter View

If you have a two-screen setup in which you are projecting from your device to a large screen, you can see Presenter View visible on your device while your audience sees the slide show on the large screen. Presenter View allows you to see your notes, get a preview of the upcoming slides, and turn ink tools on and off.

On the Slide Show tab, select Use Presenter View .

Navigate through your slides

To move forward through the slide show, press the spacebar on the keyboard or tap the screen.

To go the previous slide, press P.

To exit Slide Show, press Esc.

To make the screen go black, press B. Press B again to make the current slide visible again.

3 Ways to Livestream Your PowerPoint Presentation

Don’t let distance get in between you and your audience. Livesteaming your PowerPoint allows you to still be the face of your presentation. Several online platforms can bring your presentation out of the boardroom and into digital spaces. These enable you to reach a wider audience without having to sacrifice your personal presentation style.

While many people may have figured out workarounds to livestreaming, the truth is there are many options, which are not too difficult to navigate once pointed in the right direction. Here are three ways you can livestream your next PowerPoint presentation.   

Broadcast Online from PowerPoint 

Microsoft itself offers a safe, reliable means to  broadcast your PowerPoint presentation online to remote audiences (for PowerPoint 2013 and newer versions).

First, find your presentation and open it up. In the  File  tab, you can start livestreaming your presentation through the  Share  button.

Next click the  Present Online  button. A dialog box will generate a custom URL for your presentation. You can then copy the link to send directly to your audience.

Once they’ve received the link, click  Start Presentation . Viewers will then be able to see your presentation as you guide them through each slide in real time.

This highlights how  Presenter View  will appear only on your screen. Your audience will see your slide show as you present it.

Once you’re done, simply hit the  End Online Presentation  in the  Present Online  tab.

This option is convenient when meeting in person is not possible. However, the slight downside is that some of your original deck’s features may be compromised. All transitions will automatically be set to “fade” from the audience’s view and a file size limit may be imposed on your upload. 

In this situation, a  concise deck  is more advisable for livestreaming to minimize the lag in your loading times. 

Use Office Mix   

Office Mix is a free downloadable add-on for Office 365 subscribers. It makes livestreaming presentations much easier.  

Office Mix retains more content such as audio, video, polls, and quizzes than broadcasting through PowerPoint alone. These features are helpful for presenters seeking to maximize  audience engagement . using their deck. Consider reviewing each feature to see which will work best in your presentation, especially as you are livestreaming.

The platform also features “live digital inking.” This is a more hands-on approach that enables you to guide the audience using video, audio, and illustrations. Office Mix offers several helpful  tutorials  on their site for navigating these useful features.

Office Mix requires an internet connection to share your presentation. However, your audience will be able to review your slides after you’ve concluded the presentation. And because Office Mix gathers audience data and feedback for in-depth analysis you can keep track of how your presentation went over with your audience and maximize on keeping track of after-presentation impact.

Upload to Online Platforms  

This third option offers the least audience interactivity in the moment but can maximize your audience reach. And it may be the easiest to execute. 

If the previous options are unavailable, you can  upload and design your presentation  on deck hosting platforms such as SlideShare. 

Publishing your slides online will allow you to reach out to a wider audience. While you can configure the presentation to be viewed by selected viewers only, default settings keep your deck open for public viewing. Adding tags to your presentation makes it easier to search online, further enabling mass sharing. 

These online platforms often require compressing your presentations to a size that websites can handle. While uploading to online platforms can be limited in file size, audiences will be able to view them at their own pace which can be a great benefit for a leave-behind aspect to your presentation.

Livestreaming Design Elements to Enhance Viewer Experience

Your deck plays a key role in the impact of your presentation and there are many ways to make your presentation accessible.

Because the presentation is being streamed from your source, you won’t need to worry about losing any of your custom fonts . That’s a common pain when people send their decks via email. Here are a few other assets that add value and enhance viewer experience: 

  • Interstitial Graphics: Controls broadcast flow and breaks it into segments 
  • Overlay Graphics: Media that plays over the main content  
  • Alert Overlays: Pulls live data from online sources and displays over the stream

How can I Play a PowerPoint Slideshow on TV?

Sometimes you need to display a PowerPoint slideshow on a TV to show your presentation on the meeting, a conference, or use the slideshow for an information screen or advertising display. Most of our customers use this for the later situation. There are a few options you can pick from.

Connect your Laptop Directly to the TV

The old VGA is very recognizable. This is a blue connector with pins and you often still see them at old TVs and beamers.

The best thing you can do is to check what type of connector used for your computer and what type of connector your TV has, especially when you are not using your own trusted equipment. There are several converters on the market to convert e.g. a VGA to HDMI. Good and professional presenters best have all possible combinations always with them.

Once the cable is plugged in, your TV will be connected and the output of your laptop will be sent to the TV. Hit F5 to launch your slideshow and you are ready to go.

Export as Image or Video

Sometimes, you don’t want to connect a laptop on a television screen.  When running advertising slideshows for your shops, you can also use the typical memory card that you can insert into the television. That is easy and much cheaper since no computer device is needed. 

Use your PowerPoint and click File and then Export . Choose Create a Video for a MP4 files, or choose Change File Type and then (best) JPEG File Interchange Format (*.jpg) . 

Note: With export to images, you end up with small files but you lose the animations and transitions.  A video export produces a much larger file but all animations and transitions remain.

Copy the generated video file or images to your memory stick and insert this memory stick into your television. Then use your TV control and change the source to read from the memory card.

Dedicated Display Computer

Now that you have this dedicated computer connected to the television, you also need some software to access it from remote and start the slideshows when you need it. This is called digital signage and our digital signage product is called iPoint. 

With iPoint you can create playlists with presentations and send out the playlists for playback on a given monitor. You can start a playlist ad-hoc or schedule it. The digital signage software will copy the files from the server to the players and start the playlist according to the scheduled playlists. With the iPoint software, you use the scheduler application to see live what is on the screen. Is the screen connected (so green) or does it have a problem (so red)? You get real-time thumbnails of what is currently displayed on the remote screen. You can change the playlist assignments, restart the software, reboot machine … all from one centralized location. 

Optionally you can add DataPoint functionality to the screens which is a unique addition to PowerPoint to display real-time information on your slides. This type of technology is used e.g. at airports and factories to provide up-to-date and real-time data changes that are crucial for the operations. Many PowerPoint users like to set their presentations to run in a slideshow while discussing the content and leading the conversation. However, some presentations may call for several slides to flip past without any verbal commentary. To add a stopwatch effect to PowerPoint to allow for slides to advance automatically, you'll simply need to make a few clicks of your mouse. See Step 1 below to get started!

Step 1 Launch PowerPoint 2003,...

  • In the middle right section of the Set Up Show window, click the radio button for "Using timings, if present" under the Advance Slides heading. Click the OK button to close the window.

Step 3 Select the ​​​Rehearse Timings button on the toolbar.

  • The slideshow will begin to play in full-screen mode. Advance the slides after the appropriate amount of time you think you will need for each screen by clicking anywhere on the slide show. This will allow you to time slides as they are displayed.
  • Note that the time allotted for each screen is being tracked and shown in the upper left hand window.

Step 4 Watch the slideshow again using the From Beginning button at the far left edge of the Slide Show toolbar.

  • Timing can be adjusted for individual slides in the Normal view. Click the slide that requires an adjustment, then choose the Animations tab. The far right edge of the Transition to this Slide section offers Advance Slide options. Adjust the amount of time in the field following the words "Automatically After."

We've all been to a presentation where the speaker bores you to death with a mundane PowerPoint presentation. Actually, the speaker could have kept you much more engaged by adding some interactive features to their slideshow. Let's look into some of these options.

1. Add a QR code

Adding a QR code can be particularly useful if you want to direct your audience to an online form, website, or video.

Some websites have in-built ways to create a QR code. For example, on Microsoft Forms , when you click "Collect Responses," you'll see the QR code option via the icon highlighted in the screenshot below. You can either right-click the QR code to copy and paste it into your presentation, or click "Download" to add it to your device gallery to insert the QR code as a picture.

In fact, you can easily add a QR code to take your viewer to any website. On Microsoft Edge, right-click anywhere on a web page where there isn't already a link, and left-click "Create QR Code For This Page."

You can also create QR codes in other browsers, such as Chrome.

You can then copy or download the QR code to use wherever you like in your presentation.

2. Embed Microsoft Forms (Education or Business Only)

If you plan to send your PPT presentation to others—for example, if you're a trainer sending step-by-step instruction presentation, a teacher sending an independent learning task to your students, or a campaigner for your local councilor sending a persuasive PPT to constituents—you might want to embed a quiz, questionnaire, pole, or feedback survey in your presentation.

In PowerPoint, open the "Insert" tab on the ribbon, and in the Forms group, click "Forms". If you cannot see this option, you can add new buttons to the ribbon .

As at April 2024, this feature is only available for those using their work or school account. We're using a Microsoft 365 Personal account in the screenshot below, which is why the Forms icon is grayed out.

Then, a sidebar will appear on the right-hand side of your screen, where you can either choose a form you have already created or opt to craft a new form.

Now, you can share your PPT presentation with others , who can click the fields and submit their responses when they view the presentation.

3. Embed a Live Web Page

You could always screenshot a web page and paste that into your PPT, but that's not a very interactive addition to your presentation. Instead, you can embed a live web page into your PPT so that people with access to your presentation can interact actively with its contents.

To do this, we will need to add an add-in to our PPT account .

Add-ins are not always reliable or secure. Before installing an add-in to your Microsoft account, check that the author is a reputable company, and type the add-in's name into a search engine to read reviews and other users' experiences.

To embed a web page, add the Web Viewer add-in ( this is an add-in created by Microsoft ).

Go to the relevant slide and open the Web Viewer add-in. Then, copy and paste the secure URL into the field box, and remove https:// from the start of the address. In our example, we will add a selector wheel to our slide. Click "Preview" to see a sample of the web page's appearance in your presentation.

This is how ours will look.

When you or someone with access to your presentation views the slideshow, this web page will be live and interactive.

4. Add Links and Menus

As well as moving from one slide to the next through a keyboard action or mouse click, you can create links within your presentation to direct the audience to specific locations.

To create a link, right-click the outline of the clickable object, and click "Link."

In the Insert Hyperlink dialog box, click "Place In This Document," choose the landing destination, and click "OK."

What's more, to make it clear that an object is clickable, you can use action buttons. Open the "Insert" tab on the ribbon, click "Shape," and then choose an appropriate action button. Usefully, PPT will automatically prompt you to add a link to these shapes.

You might also want a menu that displays on every slide. Once you have created the menu, add the links using the method outlined above. Then, select all the items, press Ctrl+C (copy), and then use Ctrl+V to paste them in your other slides.

5. Add Clickable Images to Give More Info

Through PowerPoint's animations, you can give your viewer the power to choose what they see and when they see it. This works nicely whether you're planning to send your presentation to others to run through independently or whether you're presenting in front of a group and want your audience to decide which action they want to take.

Start by creating the objects that will be clickable (trigger) and the items that will appear (pop-up).

Then, select all the pop-ups together. When you click "Animations" on the ribbon and choose an appropriate animation for the effect you want to achieve, this will be applied to all objects you have selected.

The next step is to rename the triggers in your presentation. To do this, open the "Home" tab, and in the Editing group, click "Select", and then "Selection Pane."

With the Selection Pane open, select each trigger on your slide individually, and rename them in the Selection Pane, so that they can be easily linked to in the next step.

Finally, go back to the first pop-up. Open the "Animations" tab, and in the Advanced Animation group, click the "Trigger" drop-down arrow. Then, you can set the item to appear when a trigger is clicked in your presentation.

If you want your item to disappear when the trigger is clicked again, select the pop-up, click "Add Animation" in the Advanced Animation group, choose an Exit animation, and follow the same step to link that animation to the trigger button.

6. Add a Countdown Timer

A great way to get your audience to engage with your PPT presentation is to keep them on edge by adding a countdown timer. Whether you're leading a presentation and want to let your audience stop to discuss a topic, or running an online quiz with time-limit questions, having a countdown timer means your audience will keep their eye on your slide throughout.

To do this, you need to animate text boxes or shapes containing your countdown numbers. Choose and format a shape and type the highest number that your countdown clock will need. In our case, we're creating a 10-second timer.

Now, with your shape selected, open the "Animations" tab on the ribbon and click the animation drop-down arrow. Then, in the Exit menu, click "Disappear."

Open the Animation Pane, and click the drop-down arrow next to the animation you've just added. From there, choose "Timing."

Make sure "On Click" is selected in the Start menu, and change the Delay option to "1 second," before clicking "OK."

Then, with this shape still selected, press Ctrl+C (copy), and then Ctrl+V (paste). In the second box, type 9 . With the Animation Pane still open and this second shape selected, click the drop-down arrow and choose "Timing" again. Change the Start option to "After Previous," and make sure the Delay option is 1 second. Then, click "OK."

We can now use this second shape as our template, as when we copy and paste it again, the animations will also duplicate. With this second shape selected, press Ctrl+C and Ctrl+V, type 8 into the box, and continue to do the same until you get to 0 .

Next, remove the animations from the "0" box, as you don't want this to disappear. To do this, click the shape, and in the Animation Pane drop-down, click "Remove."

You now need to layer them in order. Right-click the box containing number 1, and click "Bring To Front." You will now see that box on the top. Do the same with the other numbers in ascending order.

Finally, you need to align the objects together. Click anywhere on your slide and press Ctrl+A. Then, in the Home tab on the ribbon, click "Arrange." First click "Align Center," and then bring the menu up again, so that you can click "Align Middle."

Press Ctrl+A again to select your timer, and you can then move your timer or copy and paste it elsewhere.

Press F5 to see the presentation in action, and when you get to the slide containing the timer, click anywhere on the slide to see your countdown timer in action!

Presenter Coach or Rehearse in PowerPoint for Windows helps polish your presentation before going before an audience.

Getting Started with Coach

Rehearsal report, coach isn’t always a good listener, better rehearsals.

This cloud-based feature is PowerPoint Online (web browser) and PowerPoint 365 for Windows If you don’t have Coach in your version of PowerPoint, try it from the web version of PowerPoint .

Make your slide deck and script (or at least speaking notes). 

Check that your microphone is working and can clearly ‘hear’ your voice (like Dictation, Presenter Coach doesn’t have any in-built test for this).

Go to Slide Show | Rehearse with Coach.

With PowerPoint Online the same option is on the View tab.

That opens the Presenter Coach dialog.

The presentation will open, full screen, but with a Rehearse box bottom right.

Click Start Rehearsing.

Talk into the computer microphone and move through the slides just like a normal presentation.

The Coach box bottom right indicates if it’s ‘listening’ with occasional encouragements.

Behind the scenes, your spoken words are being converted to text (just like Dictation in Word) and compared with the slide text.   The speed that you talk is also monitored.

Click on the microphone icon to pause the rehearsal and restart later.

When you’ve finished your rehearsal, exit the presentation as usual (press Escape) then wait a moment to see a Rehearsal Report.

Some Rehearsal Report items only appear if there’s a problem so each report can be different.

Summary – rehearsal time and slide count

Originality – compares the slide text with what you said.

Pace – don’t go too fast or slow. Presenter Coach shows your speaking pace.  Between 100 and 165 words per minute is considered ideal.

Pace over time – a graph of your speaking pace during the rehearsal.

Pitch – Coach will warn about a monotone speech with little tone variation.

Speech Refinements – lookout for “wordiness, euphemisms, possessive/plural forms, agreement within noun phrases, and informal language.” .  A mixture of grammar checking and certain key phrases.

Sensitive Phrases – Coach listens for “culturally sensitive phrases in these areas: disability, age, gender, race, sexual orientation, mental health, sensitive geopolitical topics, and profanity. “  It’ll warn you if the transcribed text contains something that might offend.

Fillers – filler words indicate a speaker lacking confidence or knowledge of the subject.  Microsoft doesn’t say what they think are ‘fillers’ but “Over time, Coach will learn from your experience using this feature.”

The quality of the feedback is very dependant on transcription (Speech to Text) happening in the background.

Coach doesn’t have an option to see the transcription it’s made, so it’s hard to judge if the results are accurate.  For example, if the transcription is poor, just reading slides won’t be picked up as an ‘Originality’ issue.  Speech Refinements, Sensitive Phrases and Filler tests are all compromised by a bad transcription.

Customers would be better served if they could ‘dig down’ to see the transcription.  If the ‘speech to text’ hasn’t worked well, some improvements to the microphone setup might help get better Presenter Coach results.  A transcription view would let customers judge the accuracy of the report and give better feedback to the Presenter Coach team.

Rehearsing a presentation is important but too many of us just do the slides and speaker notes without trying out the whole thing.  We’re as guilty of that as anyone.

The problem is feedback on your presentation rehearsal.  While Presenter Coach isn’t perfect, it does give some guidance and something to aim for in preparing your speech with slides.

Gif not playing on presentation mode

I've added two GIFs to a presentation. They are playing perfectly till I go to presentation mode, there they are static. Tried the troubleshoot from the help section, but the preview/property tab is not showing anywhere, plus the issue is only on presentation mode

I'm sorry to hear that you're having trouble with your GIFs in presentation mode. May I know what is your Office version and please check the following steps which may help you solve this issue:

1. Preview/Properties Window: To play animated GIF files, you must open the files in the Preview/Properties window. To do this, select the animated GIF file, and then on the View menu, click Preview/Properties. If the GIF does not play, try re-saving the animated GIF in the collection in which you want to put it. 2. Check Animation Settings: Open the PowerPoint presentation for which the animations are not working properly. Click on the SlideShow tab in the menu and select Set Up Slideshow. Next, in the Set Up Show window, uncheck the two options, Show without animation, and Disable hardware graphics acceleration. Press OK to save the changes. 3. Update PowerPoint: Ensure your PowerPoint is up-to-date. Sometimes, older versions of PowerPoint may have issues with newer features. 4. Safe Mode: Try opening the PowerPoint in Safe Mode and then try to add animations or edit them.
