Characteristics of a Great Poster or Visual Display

  • Title length is concise, and uses language that your target audience can understand.
  • Text is 'to the point'
  • Word count of between 500 to 800 words (or less)
  • Width of text boxes should be about 40 characters (11 words per line)
  • Use of bullets and numbering lists makes the content easier to read
  • Effective use of graphics, color and fonts
  • Consistent and clean layout
  • List of references
  • Include any acknowledgments, plus your name and institutional affiliation

Designing Research Posters for the Humanities and Social Sciences

Research posters typically include sections for the research problem, methods, results, and conclusion. However, this formula may not always work well for all types of work. Students who conduct research in other ways or engage in creative activities can also create posters on their work;  they just need to think differently about the poster.  Posters for creative works may include more images than research posters might as well as some descriptive text about what what is shown, what it means or what you learned, and the significance or importance of that work. The goal of any poster should be display your work in a concise way, so that you can elaborate on those ideas when people stop to discuss your work, so be mindful about how much text you put on the poster.

Creating Your PowerPoint

Design best practices.

  • Know your goal and audience
  • Create a clean and uncluttered layout
  • Establish consistency, perhaps via a Slide Master
  • Identify your audience’s pattern of reading (e.g., F-pattern, Z-pattern)
  • Use concise, non-figurative, accurate language
  • Present three to six points per slide
  • Limit the number of lines per point; one to two lines is standard
  • Use standard, non-decorative fonts
  • For readability, use sans-serif fonts (e.g., Arial, Verdana, Helvetica)
  • Use larger fonts, 24 points and higher
  • Bold for emphasis, underline for links
  • Ensure colour contrast by using a contract checker
  • Check readability by switching to “Grayscale” view
  • Avoid relying on colour as the only means of conveying information
  • Match the colour with the tone of content
  • Use bulleted (unordered) list to group non-sequenced items
  • Use numbered (ordered) list to group sequenced items
  • Do not “simulate” a list with hyphens; use the “Bullets” and “Numbering” tools
  • Avoid importing charts from other programs; PowerPoint may treat the chart as an image
  • Create a new chart by navigating to the “Insert” ribbon tab and click on “Chart”
  • Caption verbal content and include audio description where appropriate

Checking for accessibility and usability

PowerPoint has an Accessibility Checker. On the “Review” ribbon tab, select “Check Accessibility.” The Accessibility Checker will not identify all accessibility and usability issues. Use the information below to identify common problems in PowerPoint design. Problems that the Accessibility Checker identify are marked with an asterisk (*).

  • Slide titles allow screen readers to navigate through the presentation
  • Use the default layouts for creating new slides
  • The title is placed within “Title Placeholder,” not a “Text Box”
  • If you have multiple slides of the same topic, use a numbering system (Topic A 1 of 3, Topic A 2 of 3, etc.)
  • Provide alternative texts for images
  • Right-click on the image and select “Edit Alt Text”
  • Identify a single column or row as a header
  • Click inside the table to make the “Table Tools” options visible
  • Select the “Design” ribbon tab on check the box for Header Row or First Column
  • Tables should have simple cell structures to improve navigability
  • Avoid merged or split cells
  • Screen readers read text boxes last, regardless of the visual order
  • On the “Home” ribbon tab, click “Select,” and open the “Selection pane”
  • Readjust the reading order; place objects read first at the bottom of the list
  • Screen readers can scan a list of links; as a result, unclear hyperlinks such as “click here” does not provide information about the destination target
  • Create meaningful hyperlink by including the full title of the destination page or the URL of the page if it is short and descriptive
  • Users who are blind, have low vision, or are colour-blind may miss out on meaning conveyed by colours alone
  • In the “View” ribbon tab, switch to “Grayscale” view
  • Underline hyperlinks instead of relying on colour onlyFor headings, consider using a larger font or adding bold
  • Use sufficient contrast between text and background
  • Use contrast checkers to check the colour contrast ratio
  • Acart Communications, Valerii, and WebAIM provide free web-based contrast checkers
  • Screen readers ignore slide transitions and text effects
  • Avoid slide transitions and text effects unless there is a pedagogical purpose

Designing with a Slide Master

A slide master allows you to set the theme, layout, background, fonts, colours, and style to an entire presentation. Layout masters for each type of slides (title slide, title and content, section header, two content, comparison, etc.) are nested beneath the slide master. Use the slide master to set up header and footer information such as date and time or slide number. Designing with a slide master reduces design time significantly. To access the Slide Master, go to the “View” ribbon tab and click on “Slide Master.”

Adding Metadata

Before finishing your PowerPoint design, click on “File,” then “Info,” then “Properties,” and select “Advanced Properties” to add metadata about your document. Provide information on the title, subject, author, category, and keywords to help organize, search, and identify documents and its contents.

Working with Images

Three types of images.

When working with images, remember to cite your images. Consult the University of British Columbia’s Directory of Image Sources and the Image Citation Guide to find and cite images.

  • Visual representation of the content
  • Provide a figure caption and an alternative text up to 120 characters
  • Used for aesthetic purposes, such as borders or dividers
  • No alt text (alt = “”)
  • Images containing substantial information such as charts, maps, or diagrams
  • Information cannot be conveyed in a 120-character alt-text
  • The purpose of the complex image should also be described in the main text

Two types of alternative text

  • A short description to identify the image
  • Inserted in the code of an image via the “Alt Text” box
  • For example: Best animal chart
  • Provides more details than the shorter alt text
  • For example: This bar chart illustrates which is the best animal between wombat, quokka, and koala according to three criteria: fluffiness, friendliness, and innovativeness. Quokka scored higher on friendliness (4.4) than wombat (2.5), while wombat scored higher on innovativeness (4.3) compared to quokkas and koalas (2.4 and 1.8 respectively)
  • The long description can be in the same document or hyperlinked to a separate page

Presentations and public speaking.

Presentations become easier with preparation and practice. It’s natural to feel nervous in the days and hours leading up to any public performance. Even experienced actors and politicians admit they still suffer from stage fright from time to time!

There are many ways to lessen performance-related anxiety and its impact on your delivery. Whether you’re working on a five-minute speech or a dissertation defense, you’ll want to understand what’s expected of you, craft a realistic plan for the available time, rehearse, deploy visual aids and other media effectively, and dress for success.

Find your voice online

Engaging in classes online can be tricky.  Here are a few suggestions for effective participation:

  • Make time in advance of an online lecture to get set up.  Find a quiet and comfortable space, gather your materials, check your internet connection and make sure your computer is charged and compatible with the online platform.
  • Investigate the online platform controls and test your computer’s camera and microphone.  When you turn your camera on, behave as if you were in class: pay attention and be respectful of others in the virtual room.  Avoid back lighting so that you are fully visible and if you are attending through your phone, put is somewhere stable.
  • Mute your microphone when you are not speaking if you need to reduce noise interference.  When you want to speak, try to avoid talking over other people.  Many platforms have a chat function so you can ask questions: try to phrase your statements as clearly as possible for someone reading your message at home.  If you are using Zoom, you can use the “raise hand” function to tell the instructor that you’d like to participate.  Be sure to put your “hand” down when you are done!

Poster presentations: How to prepare, design, and present

Preparing for a poster presentation can be a daunting task, especially if you’re used to writing academic papers. Fear not! This workshop is designed to support the learner through the entire process of preparing a poster, designing, and presenting. Also, touching on design tools and software and best practices. Providing students with the opportunity to evaluate and analyse many different examples of posters, while exploring design dos and don’ts. Concluding with strategies to prepare for the presentation itself.

In this workshop, participants will learn how to:

  • Articulate best practices in design and layout
  • Understand the elements that should be included in a research poster
  • Identify tools and software available to create posters
  • Prepare for presenting research and interacting with attendees

Email Signature

The use of consistent email signatures by U of T advancement staff reinforces consistency of the Boundless brand and contributes to more professional communications. Email signatures also offer an opportunity to share important information and links with the recipients of email messages.

The template below can be used, with modifications to suit each individual’s situation; for example, the URL and social media links can be changed.

The font should be specified as 10 point Arial Regular. The name should be entered as all caps in Arial Bold.

The interchangeable tagline may be useful in promoting an important news story or an Impact Story. As a default, the tagline What Makes Us Boundless? can be used as a hyperlink to that story on the Boundless website.

Overall, it is important to submit an Electronic Thesis/Dissertation (ETD) that has a consistent and readable appearance. Here is useful information about ETD format and style, including templates for Word and LaTeX.

Styles & Templates

Consistency in style and formatting of a thesis is essential. Tools for creating styles, footnotes, a table of contents, and other features, including the recommended order of thesis sections, have been formatted by SGS into a thesis template. It is available in  Microsoft Word​ and  LaTeX  formats. 

We strongly recommended that authors use an SGS thesis template. The template can be applied at any stage of the writing process, but using one at an early stage will simplify formatting and PDF conversion. 

Tip: Open the Word template in a new tab or window. Then save a copy with the name of your thesis. If you’re using a version of Word prior to 2007, save it as a .dot file.   

These templates assist you with the formatting and production of your thesis, but you must ensure that your thesis meets SGS formatting requirements. If you choose not to use an SGS template you may use the tools provided for indexing, page numbering, etc. provided by your word processing software.

Specific Requirements

Language of doctoral theses.

In Division I (Humanities), permission may be given for a thesis to be written in a language other than English or French when the language has been approved for use in a thesis by the graduate unit concerned. Before such permission is granted, the graduate unit chair must certify to SGS in writing that the candidate has passed a supervised essay-type examination, written in English, that demonstrates the student’s proficiency in writing correct and idiomatic English prose.

A supplementary abstract of about 5,000 words in English or French must form part of a thesis that is written in a language other than English or French. No language other than English or French may be used for the conduct of the doctoral final oral examination.

Technical Requirements

The thesis must be in PDF format. It may also include supplementary files for multimedia, sound, video, or HTML pages with embedded files. Please note that the following guidelines are the minimum technical requirements. Differing disciplines may have their own conventions. Check with your supervisor for discipline-specific formatting.

The following guidelines apply to the main text-based thesis file:

Must be a minimum of 10 points. You may use a smaller font size for graphs, formulas, footnotes, and appendices; avoid italics.

Line Spacing

Must be at least one-and-a-half spaces, except for the thesis abstract, which should be double-spaced. Single spacing may be used for long quoted passages and footnotes.

Footnotes, References, Bibliography and Heading Styles

Different disciplines and graduate units will have their own preferred practices. Please follow the styles that are preferred in your discipline and graduate unit. If you are unsure, consult your supervisory committee. Generally the preferred location for footnotes is either at the bottom of the page or at the end of the chapters to which they refer. Consistency is important.

Page & Margin Sizes

Page size should be 8 1/2″ x 11″ (21.5 cm x 28 cm) with the text reading across the 8 1/2″ (21.5 cm) dimension. If you are planning on having the thesis printed and bound (for a unit requirement, or your supervisor), the left margin should be at least 1 1/4″ (32 mm), and the remaining three margins should be at least 3/4″ (20 mm) to the main text. Margin sizes are not as critical in digital formats.

Page Numbering

Each and every page in the thesis must be numbered with the exception of the title page. The preliminary portion of the thesis should be numbered with small Roman numerals placed in the centre of the page, about half an inch from the bottom. Numbering begins with the Abstract as page ii. The Title Page is considered as page i, but must not show a page number.

The accepted order of pages within the preliminary section of the thesis follows:

  • Acknowledgments (where applicable)
  • Table of Contents
  • List of Tables (where applicable)
  • List of Plates (where applicable)
  • List of Figures (where applicable)
  • List of Appendices (where applicable)

See Sample of Title Page below. The title page should show:

  • the words “A thesis submitted in conformity with the requirements for the degree of (state full name of degree), Graduate Department of (state name of graduate department), in the University of Toronto”
  • the thesis title (capitalize the content words)
  • student’s name (consistent with ACORN)
  • the universal copyright notice (the date should be the year the degree is conferred); the universal copyright notice must appear on one line

All theses must include an abstract.

  • Font size must be a minimum of 10 points.
  • Lines of text must be double-spaced.
  • Abstract must not exceed 350 words for a doctoral thesis or 150 words for a master’s thesis.
  • Left margin should be at least 1 1/4″ (32 mm); the remaining three margins should be at least 3/4″ (20 mm) to the main text.
  • The student’s thesis title, degree and year of convocation, full name, name of graduate department, and name of university must appear on the top of the abstract’s first page. This information is not included in the 350-/150-word count.
  • Symbols, as well as foreign words and phrases, must be clearly and accurately displayed.
  • Graphs, charts, tables, and illustrations are not included.

​PDF Creation

Create the PDF version of your thesis using Adobe Acrobat or other PDF-creation software. Use the conversion tool available on the digital library repository  or use computers equipped with this software ​in the Information Commons at Robarts Library.

​File Management

The main thesis text-based file must be in PDF format.

Multiple file formats are an option when attaching supplementary file submissions for multimedia, sound, video, including HTML pages with embedded files. If the system does not automatically recognize the format of the file you have uploaded, you will be asked to select the appropriate format from the list offered. If the format is not in the list, click on ‘Format Not in List’ and describe the format in the text box appearing lower on the page. Be sure to give the name of the application you used to create the file and the version of that application, e.g., ‘Autodesk AutoCAD R20 for UNIX.’

​​​File Naming Convention

The main thesis file must be in PDF format. Create a PDF of the final approved version of your thesis before you start the submission process.

You must use the following file naming convention:

lastname_firstname_middleinitial(s)_graduationyearmonth_degreedesignator_thesis.pdf

e.g., Smith_Lorie_L_202011_PhD_thesis.pdf

Supplementary files should follow the same naming convention:

e.g., Smith_Lorie_L_202011_PhD_datatables.exl

Please note that if you converted your file within the digital library repository , you will need to rename the file once you receive and check your pdf.
