Excel Beginner Exercises

In this article, I’m going to walk you through a couple of Excel exercises that are perfect for beginners. We will slowly ramp up the difficulty from beginner to advanced so if things are too easy for you, just scroll down a bit.

Getting started with formulas

‘Formulas?!’ You may be thinking. ‘That’s way too advanced for a first Excel beginner exercise.’ It’s not really. Let me explain why: formulas and functions are the bread and butter of Excel. If you want to work with Excel, it is wise to at least know what a formula looks like and why a formula is handy. That’s why we’re starting with this. Don’t worry, they are really not as complicated as they sound.

So let’s jump into it. We will be calculating the result of 32+57. However, we won’t be doing that ourselves, we will be making Excel do the hard work for us.

To start with a formula in Excel, we have to fill in the equals sign = into a cell. After that, we add our formula, so 32+57 in this case. The resulting cell content becomes =32+57 .

Note: all of our exercises have a Show answer button in the top-right that you can click if you cannot figure out what the answer has to be. After clicking Show answer , you can click on the cell to see the formula that was used in the formula bar. You can also reset the editor back to its default contents using the Reset button.

I hope the number 89 is showing in cell A1 of the spreadsheet editor above. The cool thing about this is that you can substitute the + for a minus – and it will also work. Or you can use the asterisk * to multiply. Or the slash / to divide. You can try all of these different calculations in the editor above if you want.

And just like that, you have learned how Excel formulas work! You can now get rid of your calculator 😉

Using Excel beginner functions: SUM

Now that we’ve seen how to include formulas in Excel spreadsheets, we can get to the real deal: functions. Functions are basically formulas with names. It’s easiest to understand with an example:

The SUM function will sum the values that you give it. We can recreate the formula that we created in the exercise above ( =32+57 ), but using the SUM function. That would look like this:

=SUM(32,57)

If you write this in a cell, it will show 89 . Exactly as you may expect. But you can add more numbers (separated by commas) to the function: =SUM(32,57,1) will result in 90, for example.

In this next exercise, we will combine the SUM function with another interesting Excel feature: references. So what are references? Once again, an example will explain this very quickly. Look at the following formula:

=SUM(A1,A2)

What do you think the result will be? The answer is: it depends. That’s because the formula uses references to cells A1 and A2 .

We know the SUM function will sum the values that you give it, but in this case we give it references to cells. When you do that, it will instead sum the contents of the cells that you reference. So the result will be different depending on the values in cells A1 and A2 . If cell A1 contains 1 and cell A2 contains 2 , then the result will be 3 .

These references can be super handy because they update automatically if the contents of the cells change. Whenever you edit the value in cell A1 , the result of =SUM(A1, A2) will also automatically update! And that’s why references are so ridiculously useful.

Now, let’s get to the exercise. We will be using the SUM function to calculate our total monthly income after expenses.

Calculating income using SUM

I hope that wasn’t too difficult. Or if it was a little difficult, that when you looked at the answer, it made sense.

Note about the answer: if you looked at the answer to the above exercise, you saw a notation that you may not have seen before. =SUM(B2:B5) . The colon : is used to mean a cell range . In this case, that means cells B2 up to and including B5 . So it is equivalent to using =SUM(B2,B3,B4,B5) . In Excel, there are often multiple ways of solving the same problem. I’d encourage you to use the solution that is most intuitive to you.

A step up: Average

Calculating the average of a group of numbers is quite simple: you sum them all up and divide by how many number you have. For example, the average of the number 1, 2, 3, 4 and 5 is: 1 + 2 + 3 + 4 + 5 divided by 5, because there are 5 numbers.

You could do this in Excel by typing =SUM(1,2,3,4,5)/5 into a cell. But there is an easier way. You can simply use the AVERAGE function. Let’s do so in an Excel exercise.

Note: you may have noticed by now that both of these functions are written in all-caps. That’s just the way function names in Excel are. So it may look like I’m screaming SUM at you, but that’s just how it is written.

More practical: Concatenate

We’ve seen functions that use numbers, now let’s look at another type of function: text functions. They are functions that take text as input or that result in text output (or usually both).

Before we get to the exercise, you need to know something about text in Excel formulas. Texts in Excel formulas are almost always surrounded by double quotes “. That’s just the way to let Excel know that it is a text.

Concatenate first and last names exercise

For the fourth of our Excel beginner exercises, we will be combining the contents of two cells. The first cell will have a first name, the second cell will have a last name in it. We would like to fill the third cell with the first name, then a space and then the last name.

We can do this using the CONCATENATE function. The CONCATENATE function looks like this: =CONCATENATE("text1","text2","text3") . If we would run this function, it would result in text1text2text3 . So it just combines the texts that you give it.

Basic tasks in Excel

Excel is an incredibly powerful tool for getting meaning out of vast amounts of data. But it also works really well for simple calculations and tracking almost any kind of information. The key for unlocking all that potential is the grid of cells. Cells can contain numbers, text, or formulas. You put data in your cells and group them in rows and columns. That allows you to add up your data, sort and filter it, put it in tables, and build great-looking charts. Let’s go through the basic steps to get you started.

Create a new workbook

Excel documents are called workbooks. Each workbook has sheets, typically called spreadsheets. You can add as many sheets as you want to a workbook, or you can create new workbooks to keep your data separate.

Click File , and then click New .

Under New , click the Blank workbook .

Enter your data

Click an empty cell.

For example, cell A1 on a new sheet. Cells are referenced by their location in the row and column on the sheet, so cell A1 is in the first row of column A.

Type text or a number in the cell.

Press Enter or Tab to move to the next cell.

Apply cell borders

Select the cell or range of cells that you want to add a border to.

On the Home tab, in the Font group, click the arrow next to Borders, and then click the border style that you want.

Select the cell or range of cells that you want to apply cell shading to.

Use AutoSum to add your data

When you’ve entered numbers in your sheet, you might want to add them up. A fast way to do that is by using AutoSum.

Select the cell to the right or below the numbers you want to add.

Click the Home tab, and then click AutoSum in the Editing group.

AutoSum adds up the numbers and shows the result in the cell you selected.

Create a simple formula

Adding numbers is just one of the things you can do, but Excel can do other math as well. Try some simple formulas to add, subtract, multiply, or divide your numbers.

Pick a cell, and then type an equal sign (=).

That tells Excel that this cell will contain a formula.

Type a combination of numbers and calculation operators, like the plus sign (+) for addition, the minus sign (-) for subtraction, the asterisk (*) for multiplication, or the forward slash (/) for division.

For example, enter =2+4 , =4-2 , =2*4 , or =4/2 .

Press Enter.

This runs the calculation.

You can also press Ctrl+Enter if you want the cursor to stay on the active cell.

Apply a number format

To distinguish between different types of numbers, add a format, like currency, percentages, or dates.

Select the cells that have numbers you want to format.

Click the Home tab, and then click the arrow in the General box.

If you don’t see the number format you’re looking for, click More Number Formats . For more information, see Available number formats .

Put your data in a table

A simple way to access Excel’s power is to put your data in a table. That lets you quickly filter or sort your data.

Select your data by clicking the first cell and dragging to the last cell in your data.

To use the keyboard, hold down Shift while you press the arrow keys to select your data.

Click Tables , move your cursor to the Table button to preview your data, and then click the Table button.

To filter the data, clear the Select All check box, and then select the data you want to show in your table.

Show totals for your numbers using Quick Analysis

The Quick Analysis tool (available in Excel 2016 and Excel 2013 only) let you total your numbers quickly. Whether it’s a sum, average, or count you want, Excel shows the calculation results right below or next to your numbers.

Select the cells that contain numbers you want to add or count.

Click Totals , move your cursor across the buttons to see the calculation results for your data, and then click the button to apply the totals.

Add meaning to your data using Quick Analysis

Conditional formatting or sparklines can highlight your most important data or show data trends. Use the Quick Analysis tool (available in Excel 2016 and Excel 2013 only) for a Live Preview to try it out.

Select the data you want to examine more closely.

For example, pick a color scale in the Formatting gallery to differentiate high, medium, and low temperatures.

Show your data in a chart using Quick Analysis

The Quick Analysis tool (available in Excel 2016 and Excel 2013 only) recommends the right chart for your data and gives you a visual presentation in just a few clicks.

Select the cells that contain the data you want to show in a chart.

Click the Charts tab, move across the recommended charts to see which one looks best for your data, and then click the one that you want.

Sort your data

To quickly sort your data

Select a range of data, such as A1:L5 (multiple rows and columns) or C1:C80 (a single column). The range can include titles that you created to identify columns or rows.

Select a single cell in the column on which you want to sort.

To sort by specific criteria

Select a single cell anywhere in the range that you want to sort.

On the Data tab, in the Sort & Filter group, choose Sort .

The Sort dialog box appears.

In the Sort by list, select the first column on which you want to sort.

In the Sort On list, select either Values , Cell Color , Font Color , or Cell Icon .

In the Order list, select the order that you want to apply to the sort operation — alphabetically or numerically ascending or descending (that is, A to Z or Z to A for text or lower to higher or higher to lower for numbers).

Filter your data

Select the data that you want to filter.

On the Data tab, in the Sort & Filter group, click Filter .

To select by values, in the list, clear the (Select All) check box. This removes the check marks from all the check boxes. Then, select only the values you want to see, and click OK to see the results.

Save your work

Click the Save button on the Quick Access Toolbar , or press Ctrl+S.

If you’ve saved your work before, you’re done.

If this is the first time you've save this file:

Under Save As , pick where to save your workbook, and then browse to a folder.

In the File name box, enter a name for your workbook.

Click Save .

Print your work

Click File , and then click Print , or press Ctrl+P.

Preview the pages by clicking the Next Page and Previous Page arrows.

The preview window displays the pages in black and white or in color, depending on your printer settings.

If you don’t like how your pages will be printed, you can change page margins or add page breaks .

Click Print .

Activate and use an add-in

On the File tab, choose Options , and then choose the Add-Ins category.

Near the bottom of the Excel Options dialog box, make sure that Excel Add-ins is selected in the Manage box, and then click Go .

In the Add-Ins dialog box, select the check boxes the add-ins that you want to use, and then click OK .

If Excel displays a message that states it can't run this add-in and prompts you to install it, click Yes to install the add-ins.

Excel allows you to apply built-in templates, to apply your own custom templates, and to search from a variety of templates on Office.com. Office.com provides a wide selection of popular Excel templates, including budgets.

Once you know are comfortable with the layout of Excel, the next step is to learn how to enter and edit data in Excel.

You can enter three types of data in Excel – numeric, text, and formulas.

To enter data in any cell, just select the cell and start typing. Once done, press enter to move to the cell below. In case you are entering dates, enter it in a format that Excel recognizes as a date (such as 01-01-2020 or 01 Jan 2020 or 01/01/2020).

This video covers the basics of data formatting in Excel.

You can format data in Excel to make it look better and to highlight some data points. For example, if you have data-set and you want to highlight the negative numbers, you can simply highlight it in red color to it.

Here are some of the common formatting I use to make my data look better and more readable

In this video of this Free Excel training, I will show you how you can lock cells or protect worksheets and workbooks in Excel.

You can protect cells, worksheets, and workbooks in Excel with a password (or without one). Once a worksheet is protected, you’ll need to enter the password to access it (in case a password has been applied).

Note that Excel in-built security feature is not very strong and you can easily open worksheets/workbooks that have been locked. However, if you want to quickly protect it before sending it to your manager/client (so they don’t end up changing anything by mistake), it works well.

But I must confess I have learned things in your tutorials I knew about but never mastered. You tutorials say things in simple terms. I just finished lesson 8: Number Formatting in Excel. Hi and thank you for all the content. I had a question regarding the countifs function. I had the quiz question how many times does the number 3 appear between the integers 300-400. I know the answer is 120 after looking into it further I was wondering if there’s a way to get to this answer using countifs, if so how? I thought it would look something like this =countifs(b1:b100, “3**”, b1:b100, “*3*”, b1:b100, “**3”) but clearly have it wrong.

as in the video to find out answer only to Average (Sum +Sum +Average) u select the Average with associated cells and click F9 but i my excel when i tried i am not able to get that answer. do we need to press shift+f9 or it is something else

I understood how to keep one number consistent while dividing or any other signs by adding ($) sign before the letter and after the letter but

in mixed reference moving from $A$12 to $B$12, considering different column (i.e from A to B) but same number cell i,e (12) in this case i tried on my excel but i am not able to move from A to B by removing the ($) sign before A by pressing only (F4).

Thanks very much for tutorials, I like to know if there is a way to make just a cell behave as a normal calculator. i.e this cell should be capable of summing figures that appears in another cell, while keeping last cumulative figure visible. This other cell will be the key-in cell or active cell. Example: Cell 1: =2*5, Answer appears in Cell 2, Cell 1: =3*6.8, Answer is added to the previous value resulting from (2*5) and still appears in cell 2. Kindly share a video if this is possible. Hey! in lesson4, almost at the start of the video, you select a group of cells and address them together with the help of a colon, and as you type the no. 1, it appears in every cell. when I do the same, it isn’t happening. why?

I know I could go via Alternative/Genereral/Microsoft Office/Username etc. but that does not solve the problem. If I put a space instead of my name, or my initials, it still writes “:” in bold character and I want a empty comment when I start writing in it.

I created some data in Sheet 1, Cell A1 (in Excel 2016), and I linked these contents of Sheet 1 to Sheet 2, Cell A1. I created a link to enable the contents of Sheet 1 (Cell A1) to appear automatically in Sheet 2 so that whenever I change the contents of Sheet 1, the same automatically changes in Sheet 2. To quickly go back to Sheet 1 (where the original data is contained), I used DOUBLE-CLICK method and, as expected, Excel immediately moved back to Sheet 1, Cell A1.

However, when I use my laptop at home (also Excel 2016) and try to DOUBLE-CLICK when I am in Sheet 2 in order to quickly go back to Sheet 1, Cell A1, instead of linking me to Sheet 1, the cursor is just blinking in Sheet 2.

Question: How do I change the settings of my laptop at home to enable me jump from Sheet 2 to Sheet 1 upon double-clicking the link in Sheet 2, Cell A1, to enable me to go to the actual location of my data in Sheet 1? Thank you.

I am struggling with an issue, I am unable to resolve myself and I hope you can give me right direction: In my first worksheet “dataentry” I have a column A and B, where column A is a dropdown list with numbers and column B is a dependent dropdown list related to column A. On my second worksheet “datalists” I created the value lists related to column A and B. The problem lies in the fact that on the “datalist” worksheet Column A defines the value list which should be displayed when selecting the value for Column A on the “dataentry” but that I want to see the full description from Column B from the “datalist” sheet in my dropdown list. Similarly, on the “datalist” worksheet Column C defines the value list which should be displayed when selecting the value for Column B on the “dataentry” but that I want to see the full description from Column D from the “datalist” sheet in my dropdown list.

I hope I made my problem clear and really hope you are able to help me out here.

Most people try to limit their Excel exposure to the bare minimum (and even actively avoid it like that one weird relative we all have). But whether it be a project at work or just a personal budget, you need to know basic Excel to get things done right and done quickly. 1. Adding frequent actions to quick access toolbar

Looking around any version of Excel you’ll notice there’s an endless array of tools at your fingertips. But most beginners use just a few of these repetitively. Instead of switching between the different tabs of the ribbon every time, you can add your personal favorites to what’s known as the Quick Access Toolbar.

Microsoft offers several ways to make this happen but the easiest way is to right-click on what you want to add and select “Add to Quick Access Toolbar”. One of my personal favorites in my QAT is the Sort & Filter function as I usually work with a lot of data.

2. Filtering data

Speaking of a lot of data, Microsoft has amazing tools to handle it all, which probably explains why it became the most important workplace computer program around the world .  Excel’s basic function for handling all this information is the Sort & Filter function. This is so useful because it allows you to rearrange and summarize data in a way that’s actually useful.

To do this, highlight all the data you want included in the filter (a quick way to do this is Ctrl + A). Then, click the funnel icon in the top left of the Home ribbon.

3. Adding dynamic header/footers

While it seems everything is going paperless, sometimes there’s still a need to print. One of the best ways to keep track of what's printed out of Excel is by adding page numbers, timestamps and file paths to the header or footer. To make sure you don’t have to update these values every time you need to print a spreadsheet, you can add formulas that update automatically.

First, change your view of Excel so you can see the header and footer.

Next, add the following text to your header footer:

4. Setting print areas on sheets

Now that you know how to automatically update what prints in the margin, another time-saving trick is set up print areas for your tabs to update what prints within the margins. If you like to keep all your work on one spreadsheet but only need to print out a certain portion, setting the print area is a great way to save time when you hit Ctrl + P.

To set your print area, highlight the cells you want printed. On the Page Layout ribbon, click the drop-down under Print Area and select Set Print Area.

In the same drop-down menu, there’s the option to clear the print area. This is useful if you’ve changed your spreadsheet and want to add more to printable area.

5. Paste Special settings

There are so many different ways to accomplish tasks in Excel. Consider the simple copy and paste functions. As if Ctrl + C and Ctrl + V didn’t make copying easy enough, Microsoft built Paste Special.

Here’s how it works. Say you want to copy and paste something but not everything like a just a number or format. Instead of copying everything and removing what you don’t want, you can use Paste Special. To do this, copy your information as usual, but instead of using Ctrl + V, right click and select Paste Special from the menu.

Some of the more popular Paste Special options include:

  • Values - use this option if you only want to paste the text you see in the cells. It will leave all formatting unchanged.
  • Formulas - Need to keep that formula but don’t need the formatting? Formulas allow you to do just that.
  • Formats - Use this option to duplicate formats while leaving existing values and formulas.
  • Column Widths - For when all your columns need to be a uniform width, this option saves a ton of time instead of adjusting them manually.

6. Group/ungroup columns to hide detail data

Spreadsheets with a bunch of complicated and detailed information can be hard to read and analyze. Luckily, Excel provides an easy way to collapse and expand the messy details to create a more compact and legible view.

Grouping in Excel works best for structured worksheets that have column headings, no blank rows or columns, and data is sorted by at least one column.

Select all the data you want to summarize in the group. Then, go to the Data tab > Subtotal. This will bring up a pop-up in which you can select how the data should be grouped and summarized. In the example below, we grouped by the change in OrderYear and summed on Total. This will show us total sales for each year and in total.

Now with just a few clicks, you can go from meaningful summaries to fine detail on the same spreadsheet.

7. Protect sheets and workbook

When it comes time to send your Excel spreadsheet, it's important to protect the data that you're sharing. You might want to share your data, but that doesn't mean it should be changed by someone else. Luckily, Excel has built-in features to protect your spreadsheets. To protect a sheet, click on the Review tab in the ribbon then Protect Sheet. This will bring up a pop-up box where you’ll add the unlock password and what functions users can still perform while the sheet is protected.

Once you click Ok, you are prompted to confirm the password and save the workbook. Now, if anyone tries to alter the information they will need that password. If you have a bunch of sheets you want protected, click on Protect Workbook follow the same procedure.

9. Trace precedent/dependent formulas

Have you ever used a worksheet that someone else set up? If you need to update the formulas and functions but do not know what other calculations will be affected you can spend a lot of time clicking around in the workbook with nothing to show for. Or you’re looking for a miscalculation and need to see where the data is flowing from. Excel offers a simple way to review which cells are dependent upon others with Trace Precedents, and which cells contribute to others using Trace Dependents.

Both functions only work on the active cell selected so, unfortunately, it's one cell at a time. Click the Trace Precedents or Trace Dependents button in the Formula Auditing group of the Formulas tab to generate the blue arrows. Data flow follows the direction of the arrow with the blue dot being the precedent and the arrow being the dependent.

You can use Text to Columns in two different modes: fixed-width and delimited. Fixed-width is useful if can separate your data using a straight line through all the rows while delimited splits the text based upon the text such as every comma, tab, or space.

For example, let’s look at a delimited Text to Columns to remove cents from our total column.

Create a to-do list in Excel

To-do lists are helpful for everything from projects at work to chores at home, and using a template saves me a ton of time. Today I’m going to share with you my favorite to-do list template . I rely on it every day to keep my head clear and organized.

You can choose from dozens of free Microsoft to-do list templates on Microsoft Create. I use Excel Web to edit my template, which is completely free!

Use formatting to easily show priority and due dates

First, I assign a priority level, start date and due date to each task. To make it easier to see which tasks require immediate attention, I like to use conditional formatting to highlight priority.

We'll start by creating the first rule to highlight high priority tasks with red color. To do this in the to-do list template, select the "Priority" column > Conditional formatting > Highlight Cell Rules > Text that contains > type "High", and keep red as the fill color. Select Done to apply the rule.

Next, let's create a rule to highlight normal priority tasks with yellow color. Select the plus sign to create a new rule. Select Specific text , type "Normal" and select yellow as the fill color, then Done .

Lastly, we'll create a rule to highlight low priority tasks with grey color. Again, we can click on the plus sign to create a new rule, select Specific text , type "low" and select grey as the fill color and black as the font color. Select Done to apply the rule.

Now that we've set up conditional formatting, it's easier to identify the priority of each task in the Excel to-do list.

Update your task status to stay on track

As I work on each task in the to-do list template, I update its status using the drop-down menu in the "Status" column. This helps me keep track of what I've accomplished and what still needs to be done. To keep track of my progress, I also update the "% Complete" column as I work through each task. Finally, if I need to add any additional details or notes about a task, I can easily do so in the "Notes" column.

That's it! With this easy-to-use Excel to-do list template, I can keep my tasks organized and stay on top of my work.

The basics of Excel formulas

Before providing the basic Excel formulas list, let's define the key terms just to make sure we are on the same page. So, what do we call an Excel formula and Excel function?

  • Function is a predefined formula already available in Excel. Functions perform specific calculations in a particular order based on the specified values, called arguments, or parameters.

For example, instead of specifying each value to be summed like in the above formula, you can use the SUM function to add up a range of cells: =SUM(A2:A4)

Basic Excel functions

Clicking the function's name will turn it into a blue hyperlink, which will open the Help topic for that function.

Tip. You don't necessarily have to type a function name in all caps, Microsoft Excel will automatically capitalize it once you finish typing the formula and press the Enter key to complete it.

10 Excel basic functions you should definitely know

What follows below is a list of 10 simple yet really helpful functions that are a necessary skill for everyone who wishes to turn from an Excel novice to an Excel professional.

The first Excel function you should be familiar with is the one that performs the basic arithmetic operation of addition:

In the syntax of all Excel functions, an argument enclosed in [square brackets] is optional, other arguments are required. Meaning, your Sum formula should include at least 1 number, reference to a cell or a range of cells. For example:

=SUM(B2:B6) - adds up values in cells B2 through B6.

=SUM(B2, B6) - adds up values in cells B2 and B6.

If necessary, you can perform other calculations within a single formula, for example, add up values in cells B2 through B6, and then divide the sum by 5:

=SUM(B2:B6)/5

To sum with conditions, use the SUMIF function: in the 1st argument, you enter the range of cells to be tested against the criteria (A2:A6), in the 2nd argument - the criteria itself (D2), and in the last argument - the cells to sum (B2:B6):

=SUMIF(A2:A6, D2, B2:B6)

Using SUM formulas in Excel

The Excel AVERAGE function does exactly what its name suggests, i.e. finds an average, or arithmetic mean, of numbers. Its syntax is similar to SUM's:

Having a closer look at the formula from the previous section ( =SUM(B2:B6)/5 ), what does it actually do? Sums values in cells B2 through B6, and then divides the result by 5. And what do you call adding up a group of numbers and then dividing the sum by the count of those numbers? Yep, an average!

The Excel AVERAGE function performs these calculations behind the scenes. So, instead of dividing sum by count, you can simply put this formula in a cell:

=AVERAGE(B2:B6)

To average cells based on condition, use the following AVERAGEIF formula, where A2:A6 is the criteria range, D3 is he criteria, and B2:B6 are the cells to average:

  • Excel AVERAGEA - find an average of cells with any data (numbers, Boolean and text values).
  • Excel AVERAGEIF - average cells based on one criterion.
  • Excel AVERAGEIFS - average cells based on multiple criteria.

MAX & MIN

The MAX and MIN formulas in Excel get the largest and smallest value in a set of numbers, respectively. For our sample data set, the formulas will be as simple as:

=MAX(B2:B6)

Using MIN and MAX formulas in Excel

  • MAX function - find the highest value.
  • MAX IF formula - get the highest number with conditions.
  • MAXIFS function - get the largest value based on multiple criteria.
  • MIN function - return the smallest value in a data set.
  • MINIFS function - find the smallest number based on one or several conditions.

COUNT & COUNTA

If you are curious to know how many cells in a given range contain numeric values (numbers or dates), don't waste your time counting them by hand. The Excel COUNT function will bring you the count in a heartbeat:

While the COUNT function deals only with those cells that contain numbers, the COUNTA function counts all cells that are not blank , whether they contain numbers, dates, times, text, logical values of TRUE and FALSE, errors or empty text strings (""):

For example, to find out how many cells in column B contain numbers, use this formula:

=COUNT(B:B)

To count all non-empty cells in column B, go with this one:

=COUNTA(B:B)

In both formulas, you use the so-called "whole column reference" (B:B) that refers to all the cells within column B.

COUNT and COUNTA formulas in Excel

  • Excel COUNT function - a quick way to count cells with numbers.
  • Excel COUNTA function - count cells with any values (non-empty cells).
  • Excel COUNTIF function - count cells that meet one condition.
  • Excel COUNTIFS function - count cells with several criteria.

Judging by the number of IF-related comments on our blog, it's the most popular function in Excel. In simple terms, you use an IF formula to ask Excel to test a certain condition and return one value or perform one calculation if the condition is met, and another value or calculation if the condition is not met:

For example, the following IF statement checks if the order is completed (i.e. there is a value in column C) or not. To test if a cell is not blank, you use the "not equal to" operator ( <>) in combination with an empty string (""). As the result, if cell C2 is not empty, the formula returns "Yes", otherwise "No":

If your obviously correct Excel formulas return just a bunch of errors, one of the first things to check is extra spaces in the referenced cells (You may be surprised to know how many leading, trailing and in-between spaces lurk unnoticed in your sheets just until something goes wrong!).

There are several ways to remove unwanted spaces in Excel, with the TRIM function being the easiest one:

For example, to trim extra spaces in column A, enter the following formula in cell A1, and then copy it down the column:

AND & OR

These are the two most popular logical functions to check multiple criteria. The difference is how they do this:

  • AND returns TRUE if all conditions are met, FALSE otherwise.
  • OR returns TRUE if any condition is met, FALSE otherwise.

While rarely used on their own, these functions come in very handy as part of bigger formulas.

For example, to check the test results in columns B and C and return "Pass" if both are greater than 60, "Fail" otherwise, use the following IF formula with an embedded AND statement:

=IF(AND(B2>60, B2>60), "Pass", "Fail")

If it's sufficient to have just one test score greater than 60 (either test 1 or test 2), embed the OR statement:

CONCATENATE

In case you want to take values from two or more cells and combine them into one cell, use the concatenate operator (&) or the CONCATENATE function:

For example, to combine the values from cells A2 and B2, just enter the following formula in a different cell:

=CONCATENATE(A2, B2)

To separate the combined values with a space, type the space character (" ") in the arguments list:

To see the current date and time whenever you open your worksheet without having to manually update it on a daily basis, use either:

=TODAY() to insert the today's date in a cell.

=NOW() to insert the current date and time in a cell.

Best practices for writing Excel formulas

Now that you are familiar with the basic Excel formulas, these tips will give you some guidance on how to use them most effectively and avoid common formula errors.

Do not enclose numbers in double quotes

Any text included in your Excel formulas should be enclosed in "quotation marks". However, you should never do that to numbers, unless you want Excel to treat them as text values.

For example, to check the value in cell B2 and return 1 for "Passed", 0 otherwise, you put the following formula, say, in C2:

=IF(B2="pass", 1, 0)

Copy the formula down to other cells and you will have a column of 1's and 0's that can be calculated without a hitch.

Now, see what happens if you double quote the numbers:

=IF(B2="pass", "1", "0")

Enclose text values in double quotes, but not numbers

Don't format numbers in Excel formulas

Match all opening and closing parentheses, copy the same formula to other cells instead of re-typing it.

Note. After copying the formula, make sure that all cell references are correct. Cell references may change depending on whether they are absolute (do not change) or relative (change).

How to delete formula, but keep calculated value

When you remove a formula by pressing the Delete key, a calculated value is also deleted. However, you can delete only the formula and keep the resulting value in the cell. Here's how:

  • Select all cells with your formulas.
  • Press Ctrl + C to copy the selected cells.
  • Right-click the selection, and then click Paste Values > Values to paste the calculated values back to the selected cells. Or, press the Paste Special shortcut: Shift+F10 and then V .

Make sure Calculation Options are set to Automatic

If all of a sudden your Excel formulas have stopped recalculating automatically, most likely the Calculation Options somehow switched to Manual . To fix this, go to the Formulas tab > Calculation group, click the Calculation Options button, and select Automatic .

Step 1: Open a new Excel file

To open a new file, click on the Excel app, and you’ll find yourself at the Excel Home page. Double-click on the Blank Workbook to open a new Excel spreadsheet.

If you’re already on an Excel sheet and want to open a new file:

  • Click on the File tab, which will take you to the backstage view . Here you can create, save, open, print, and share documents
  • Select New , then click on Blank Workbook

Your new workbook is now ready for you. 

Step 2: Add column headers

In our Excel to-do list, we want to track tasks and keep an eye on the progress by adding the column headers: Date , Task Name , Target , Status , and Comments . You can enter the column headers across the top row of the spreadsheet. 

These column headers will let anyone viewing your spreadsheet get the gist of all the information under it.  

Step 3: Enter the task details

Enter your task details under each column header to organize your information the way you want. 

In our to-do list table, we have collated all the relevant information we want to track:

  • Date: mentions the specific dates
  • Task Name: contains the name of our tasks
  • Target: the number of task items we aim to complete
  • Status: reflects our work progress

You can also fix the alignment of your table by selecting the cells you want and click on the icon for center alignment from the Home tab . 

Step 4: Apply filters

Too many to-dos?

Use the Filter option in Excel to retrieve data that matches particular criteria. 

All you need to do is select any cell within the range of your data ( A1-E11) > Select Data > then select Filter .

You’ll see drop-down lists appearing in the header of each column, as shown in the image below.

Click on the drop-down arrow for the column you want to apply a filter.

As shown in our to-do list table below, we want to apply the filter to the Status column, so we’ve selected the cell range of D1-D11 .

Then, in the Filter menu that appears, you can uncheck the boxes next to the data you don’t want to view and click OK . You can also quickly uncheck all by clicking on Select All.

In our to-do list, we want to view only the Open tasks, so we apply the filter for that data.

After you save this Excel file, the filter will be there automatically the next time you open the file.

Step 5: Sort the data

You can use the Sort option in Excel to quickly visualize and understand your data better.

We want to sort the data in the Target column, so we’ll select the cell range C1-C11. Click on the Data tab and select Sort.

A Sort Warning dialog box will appear asking if you want to Expand the selection or Continue with the current selection . You can choose the latter option and click on Sort.

  • The column you want to Sort by
  • Cell values you wish to Sort on
  • Order in which you want to sort the data

For our table, we have chosen the Target column and kept the order from smallest to largest.

Step 6: Edit and customize your to do list

You can edit fields, add columns, use colors and fonts to customize your to-do list the way you want.

Like in our table, we’ve highlighted the Status column so anybody viewing can quickly understand your task progress.

5 Easy Steps to Do the Famous Excel Assignment Sheet

Keeping up with the college schedule can be hard, especially when your university, like mine, works on a quarter system.

At the beginning of my first year, I thought using a calendar/agenda and pen would work just as great as it did in high school, but I quickly realized that most professors give out all assignments at the beginning of the term and don't remind you before the deadline. I was overwhelmed with so many assignments that I barely had time to study; everything was pilling up.

One of my roommates said that she stayed organized with a color-coded excel sheet for all assignments of the term. I later noticed that it was a trend for people to use this method, however, when I asked my friends about it, most of them wanted to do it but didn't know how to.

I had to learn how to do it myself and ended up using it for my entire freshman year. So far, it has worked wonderfully, so I figured I would share how to do it so everyone can give it a try.

Step 1. Color Coding

In this 1st step, you will decide which colors you'll be using for each subject.

Here, for example, I have my six classes abbreviated, and I colored each one differently: Linguistics is orange, Techniques of Speaking is blue and so on...

Step 2. Writing Down the Assignments

Every university has their own system regarding how assignments are given out, for example, Drexel University uses a syllabus system. Each professor will hand out a syllabus for their class at the beginning of the year, where inside, the student can find all the deadlines and assignments for the term.

Write down all the details of each assignment in the excel sheet. Add the class name, the # of the week in which it is due, the complete due date, the name of the assignment, and the status (blank or done) **more on this later.

Repeat this step for each class.

Step 3. Adding Color

This step is very simple. Select all the cells for each subject and add the color you decided on for that class. Here is how mine looks so far:

Step 4. Organizing by Due Date

To organize our sheet by due date, we must sort *custom sort* the entire chart.

Select the entire chart, every column and every line. All the assignments, no matter the class.

Right click and select *sort* - *custom sort*.

Clicking on *custom sort* must have opened the sort window.

There, you'll see a list that says column, sort by. column A. You must click on the list and change the column to the column in which your due dates are listed on.

For example: my due dates are on column D, so I change the list that says "column A" to "column D."

Next, there's a list that says sort on, values. This will remain the same so leave it at "values."

The last list says order, oldest to newest. This will also remain the same. **If yours says something different, simply click on the list and a drop down menu will pop up where you can select the option "oldest to newest."

When your "sort" window looks like this, click on *ok* to make the changes. It will organize your assignments by due date and not by class.

Step 5. Using It

The final step is to use your excel sheet, and every time you have completed an assignment, on the column status write the word "done."

"done" means you have finished the assignment.

Then, once you have turned in the assignment, you can cross off the entire line.

How to cross something of:

Shortcut in Windows computer: select the cells you want to cross off, then click Ctrl + 5.

Shortcut in Mac computer: select the cells you want to cross off, then click Command + Shift + X.

Normal way in any computer: select the cells you want to cross off, then click on the bottom right corner of the "font" section.

Once the "format cells" window has opened on the "font" section, select the *strikethrough* option under "effects."

Then click on *ok* to make the changes.

After a while of using your chart, it will start looking like this.

Make sure to add any new assignments to the chart by simply inserting a new line, changing its color and organizing it by due date. Simply repeat the 5 steps.

The best thing I can say about this homework planner is that my own kids like it enough to want me to print a copy for them each week. The design for this planner came from a mash-up of the techniques that my brother and I used in college to organize our time. I've refined the design based on feedback from my kids (one high-schooler and two home-schoolers).

How It Works : This planner combines two very useful tools for keeping track of your homework assignments, both on a single page. First, on the left is a homework check list for each of your classes. Use it to list the assignments, due dates, and the estimated time to complete each assignment. List upcoming exams and plan times to study. Second, on the right side you can plan your week to figure out how you will get everything done.

The following PDF files can be printed as needed. The main difference is in the weekly schedule because high-schoolers and home-schoolers tend to do their homework at different times of the day.

This spreadsheet includes two separate worksheets with slightly different designs. The Homeschool design doesn't include the "time" column because we found it wasn't as critical to predict how much time a particular assignment would take. However, for high school and college, estimating the time to complete each assignment can be extremely helpful.

We designed it so that you can either print blank copies of the planner, or edit it electronically. You may be able to store and edit this planner on your mobile device if you are using Excel for iPad/iPhone or Google Sheets.

Tips for Students:

1. Customize the template: Using Excel or Word, enter your class names on the left and your typical weekly schedule. For example, use the schedule to highlight the times for each of your classes, your extracurricular activities, part-time jobs, etc.

2. Print blank copies: After customizing the template, you can print as many of these planner pages as you need, and you won't need to enter your typical weekly schedule each time.

3. Don't forget incomplete assignments: When switching to a new page each week, don't forget to go through your list of assignments and transfer the incomplete assignments to the new page.

4. Don't lose it: Keep your planner page in a folder that you always have with you. If you are worried about misplacing it, try taking a picture of it with your phone as a backup.

5. Use a mobile app: If you have a phone with the Excel or Word app or Google Docs app, and you are allowed to use a mobile device in school, you could try going paperless and editing the template on your phone. You could also try using one of the many "student planner" or "homework planner" mobile apps. The problem with this approach is that phones can be a huge distraction. If you are obsessed with Instagram or texting, it may be better to avoid using your phone if you want to get anything done.

Note to Teachers:

You are welcome to print copies of this planner to give to your students. The worksheet is pretty intuitive, but don't assume that students will know how to use it. Teach them about managing their time and help them learn how a planner can help.

One important thing that you can do to help your students is to give them a realistic estimate of how much time each assignment will take. If you get a lot of students complaining that an assignment took longer than you said, either cut back the work (if it was excessive), or use the feedback to give a better estimate next time around.

Excel is often seen as a complicated program for highly trained accountants, but this isn't necessarily the case. I use Excel daily to keep track of my budgeting, choose the ideal vacation destination, track my team's sports stats, and keep an eye on my weight-loss progress... and you can too!

1. Budgeting

With today's never-ending cost-of-living increases, I use Excel to manage my budgeting and keep track of how much disposable income I have left over each month.

First, create an Excel table by typing Type , Details , Cost , To Pay , and Date in cells A1 to E1.

  • The Type column is the category of the expenditure (useful for filtering later on).
  • The Details column contains the specific information about what the cost is.
  • The Cost column contains the specific price of the expenditure.
  • Leave the To Pay column blank for now.
  • The Date column reminds you of when the payment is due to be made.

Once you have input the data into columns A, B, C, and E, format your table and give your table a name . In my case, I've called it Budgeting.

Whenever you type a date in Excel, make sure the cell data type is set to "Date." This will mean that Excel can use these dates to help you manage your budget automatically.

Now, in cell G1, type Today's Date , in cell G2, type End of Month , and in cell G3, type Days Left .

In cell H1, type the following formula to generate today's date:

In cell H2, type the last date of the current month manually.

In cell H3, type the following formula to calculate the number of days remaining in the month:

=SUM(H2-H1)

We're now ready to populate column D. In cell D2, type

=IF([@Date]<$H$1,"PAID",[@Cost])

This means that if the date of the payment item in row 2 is earlier than today's date (in cell H1), we want Excel to mark it as Paid. If the date is later than today's date, the total cost of that item will show in this cell. When you press enter after typing the formula, the rest of the column will populate automatically.

Finally, we can now use all this information to calculate our budget.

Underneath your formatted table, in column A, type Bank balance , Total expenditure , Total left to pay , Leftover , and Daily budget on separate rows. Then, you will need to add totals or formulas to the corresponding cells in column B as follows:

Type your bank balance manually. You should update this cell each time you return to check your budget.

Then, in the cell next to Total expenditure, type

=SUM(Budgeting[Cost])

where Budgeting is the name we assigned to our table, and [Cost] is the name of the column we're totalling.

Now, in the cell next to Total left to pay, type

=SUM(Budgeting[To pay])

In the cell next to Leftover, type

=SUM(B21-B23)

where B21 is your manually-added bank balance, and B23 is the cell containing the total left to pay.

In the cell next to Daily budget, type

=SUM(B24/H3)

where B24 is the total leftover, and H3 is the number of days remaining in the month.

You now have a complete monthly budgeting spreadsheet. Simply duplicate the sheet each month to set up a new budget. Then, amend that month's payment details, change the last day of the month in cell H2, and keep your bank balance updated.

2. Vacation Destinations With Different Criteria

With so many options for different vacation destinations, Excel can help you keep these in order. Yes, there are websites that can help you with some criteria, but how about those specific elements that matter to you, such as property with a fireplace, or a region with a dark sky for those of you who love stargazing? Whatever it is you're looking for, use Excel to whittle down your options without having to pay that extra percentage for third-party booking commissions.

I love going on short stays around the UK, and this spreadsheet started off with a few notes about some of the properties that tickled my fancy. But as I stayed at more places, I started to realize what elements mattered to me the most, and my spreadsheet quickly expanded.

Here are some of the tools I benefit from the most when using my spreadsheet:

  • Freeze panes : With my spreadsheet being so vast, I decided to freeze the property link and name columns and the header row. This means that, whenever I scroll across or down, those parts remain visible. In the example above, I selected cell C3, and in the View tab on the ribbon, I clicked "Freeze Panes" to freeze row 1 and columns A and B.
  • Filters : The whole purpose of this spreadsheet is to help me choose which property to go to based on specific criteria. So, I added a filter to my spreadsheet. I selected the whole of row 1, headed to the Data tab on the ribbon, and clicked the "Filter" button. Now, I can use the filter drop-down arrows in each column to nitpick my preferences. For example, I can order the price from lowest to highest in column D, remove all properties that don't allow dogs in column I, and filter by color according to the light pollution in column H.
  • Hidden rows and columns containing formulas: I have hidden row 2 in my spreadsheet because I've added details in columns F and G that I don't want to display on my sheet or be included in the filters I apply. In cell F2, I typed my car's miles per gallon, and in cell G2, I converted the total gallons to liters, so that I could work out the fuel cost for the trip. To hide a row or column, right-click on the gray header (the column letter or column number), and click "Hide."
  • Color code: As an avid stargazer, I use a light pollution map to find out whether there's a good chance of seeing the Milky Way. I then use Excel's color fill to match the cell color with the light pollution indicator. Blues on the map represent little light pollution, while yellows and oranges represent heavy light pollution. I can then filter column H by color to see which properties are likely to offer the best skies.
  • Notes : Notice the red markers on cells B14 and B17. These show that I've added a note to that cell that I didn't want to add as an extra column to the spreadsheet. For example, in B14, I made a note that the minimum stay at that property is five nights. To do this, simply right-click the relevant cell, and click "New Note."

3. Tracking My Sports Team’s Stats

This is my favorite Excel workbook. Like with most spreadsheets, they started off really simple, and I've gradually added to them over time.

The best tools for creating these spreadsheets have been conditional formatting and charts.

As you can see in the screenshot above, I've used conditional formatting to automatically apply color to cells based on their values (such as red for L, yellow for D, and green for W). To do this, I selected the whole of column D, opened "Conditional Formatting" in the Home tab, and clicked "New Rule." I then clicked "Format Only Cells That Contain" and completed the details of the rule in the easy-to-follow dialog box.

On this sheet, I've used an in-built conditional formatting rule to create data bars. I selected column B, clicked "Conditional Formatting" in the Home tab, and hovered over "Data Bars." I could then choose the data bar type that best aligned with my spreadsheet's formatting. Then, I used the Format Painter tool to apply the same rules to the other columns, alternating between blue and green for clarity.

My sports team tracking workbook contains 12 tabs overall, so I created a dashboard sheet that pulls together the key information in chart form in one place. Click the "+" at the bottom of your workbook to add a new sheet, and double-click the new tab to rename it Dashboard . Then, use the Charts group in the Insert tab on the ribbon to choose different graphs that will work well for your data. Finally, you can format your data labels and chart colors to make them look exactly how you want, and hide the gridlines to add that extra presentational touch to your dashboard.

4. Tracking My Weight (I’m on a Diet!)

Who knew that Excel could be a weight-loss motivator?

Using Excel's formatted table function and line chart, I created a spreadsheet to track my weight and show me how close to my target I am getting:

  • Start by creating a table by typing Date , Weight , and Target into cells A1, B1, and C1, respectively. Once you have your first row of data, highlight all the cells in the table (including the headers), and head to the Home tab. From there, in the Styles group, click "Format As Table," and check the "My Table Has Headers" box.
  • Next, you should name your table. Click anywhere on your formatted table, and in the Table Design tab, rename the table as Weight in the Table Name field on the left.
  • Now, click anywhere on the table again, and click the "Line Chart" option in the Insert tab.
