There are plenty of variables to consider, but making a chart for your wedding seating doesn’t need to be overwhelming—and can actually be fun. Why do I need a wedding table seating chart?
Well, you technically don’t. While open seating is always an option, many couples will create an assigned seating chart for their wedding. It’s traditional, sure, but a clear seating arrangement benefits everyone from the guests to the catering staff and helps you maximize your reception venue space . Assigned seats just tend to make things simpler. (You can always assign tables and let each guest choose their individual seat, too.)
Here are a few reasons to create wedding seating charts:
- It ensures each table will be filled to its maximum capacity.
- It makes it easy for servers to locate guests and provide them any previously requested meals or meal substitutes. (Some wedding venues may even require reception seating assignment for this reason.)
- Wedding guests actually like to know where they’re sitting—it cuts confusion and any potential awkwardness.
How do I even begin making a guest list seating chart?
Before you even think about each wedding guest and their needs, first you need to consider the size of the space and of your tables. The size and shape of the tables will tell you how many guests can sit at each table. Wedding tables come in four basic shapes: round, rectangle, oval, and square, which should be discussed during the wedding planning process.
Square and rectangular tables make it easier for guests to chat across the table and next to one another. You can also typically fit more of these shapes into the space. Round tables, on the other hand, provide guests more legroom. These tables also may make your job easier as you’ll only need to pay attention to who’s sitting directly next to one another.
Once you choose your tables, map them out in the space, and know how many each will hold, then it’s time to start filling in your wedding seating chart with your guest names list.
How To Make Wedding Seating Charts
Now the fun begins. Whether your wedding venue is big or small, organizing your wedding guests into tables comes with a number of considerations. So, before you start making your name cards, consider these factors. Here are some things to think about as you create your wedding seating plan.
1. Start with the head table.
It’s a good idea to seat the two of you first at your wedding table. Decide if you want to sit at a traditional head table made up of your wedding party or if you would prefer to sit together as a couple at your own private sweetheart table.
Traditionally, a head wedding table is long and straight. The couple sits in the center and the wedding party (and sometimes their dates) fills in the rest. If you go the sweetheart table route, you can place the wedding party at one or two other tables nearby. It’s up to you, but be sure to place yourselves first.
2. Place your parents and grandparents.
Next, it’s a good idea to figure out where your parents and grandparents will sit. If they’re not sitting with you (some couples will include their parents at the head table), be sure to keep them close. It’s common for both sets of parents to share a table at the reception so they can bond and bask in their children’s newly wedded glow. This table will also typically include both sets of grandparents and any siblings that aren’t in the wedding party.
In the case of divorced parents, things can feel a little more sensitive. You likely know the situation best so proceed with care. If things between your parents are comfortable—meaning, they can spend quality time together without any palpable tension—you may feel fine placing them together at a table.
If things are a little more strained, be sensitive. Consider letting each parent host their own table (if space allows) of close family and friends. Be sure to keep these tables equally close to yours so everyone feels included. Depending on each family’s situation, this could mean potentially four parents’ tables. If you feel unsure, talk to your parents. They most likely want what's best for you and will do what it takes to help you figure out a solution that works for everyone.
3. Figure out your family and close friends.
Once the key players and planners involved in your wedding are situated, it’s time to move on to your extended family and friends. Barring any significant unrest, your family should be pretty easy to place. Traditionally extended family members sit together with their immediate family members. So, your aunt will sit with her partner and their children, grandchildren, etc. Each family group can cover a full table or, depending on family size, you can, of course, combine families into one table.
It’s more common to place members of your respective families together, but feel free to mix it up if you want. Why not set one of your extended family groups with one of your partner’s? You’re all family now after all.
You know the saying “keep your friends close.” Well, that same sentiment works at your wedding. Simply put, sit your close friends together—and definitely mix them in with your partner’s BFFs, too. More likely than not, many of your friends already know each other and are eager to reunite to celebrate your fresh union.
4. Categorize the rest of your guests by groups.
Beyond your family and best friends, weddings also usually include other attendees from the various parts of your life. This mix is a little more random and, therefore, can be a bit more challenging to place in your wedding seating chart. The easiest way to handle the last handful of guests is to separate them by groups. For example, these wedding guests may fall into the following categories:
- Your boss and colleagues
- Your parents’ friends
- High school friends
When seating your remaining guests, it’s nice to consider things like backgrounds, personalities, and interests. Many of these people will end up at tables together so it’s best to always take a moment to think about who could really mesh well together. Here's how we recommend handling each of these groups.
Boss and Colleagues
This group is totally dependent on your relationship with your boss and coworkers. It’s also important to consider your coworkers' relationship with your boss—they may or may not want to spend the night sitting next to their daily manager or colleague. Hopefully, though, if you invited people from your work life, you did so because you know they’ll have a fun time together and with the rest of your wedding guests.
If that’s not the case, you can seat your coworkers with a group of your close friends or high school friends. You can place your boss with a group of your parents’ friends or even with members of your extended family, depending on how the tables work out.
Parents’ Friends
Instead of stressing over this as a couple, let your parents take the reigns here—they’ll be happy to be involved. Trust us. They may even invite some of their closest friends to join them at their table. Either way, they’ll be the best judge of where to seat and how to group their attendees.
Additionally, you should also include your parents in any decisions about placing non-family members at family tables. If there are seats to fill at tables with your families, they’ll likely have an opinion about who should fill those places.
High School Friends
Depending on how many high school friends you invite to your wedding, they may take up a table of their own or you can likely combine forces with your partners’ friends from back in the day. However, if you don’t have enough old friends in attendance, find seats for them at tables with your college friends or even your coworkers. As always, consider personalities and interests. Presumably, though, anyone you put on your wedding guest list is there to celebrate you and your new spouse so there shouldn’t be any weirdness regardless of their setting assignment.
This group can go a number of ways. Typically, the vendors you'll include and feed at your reception include the DJ or band, your photographer(s) , and your wedding planner. Depending on your relationship with any other vendors, though, that could increase. If your wedding florist is a family friend, for example, you’ll, of course, include him or her, too.
In the case of vendors who don’t qualify as family friends, it’s best to simply ask each vendor what they would prefer. Many DJs will eat at their station because they usually play music during the cocktail hour and dinner. Similarly, wedding photographers are still on the clock. They may also prefer to grab a plate and eat somewhere quickly before getting back to work.
However, if you have a group of vendors that you would like to include in your wedding seating chart, offer them a table. If you are tight on space and need to fill in remaining seats, seat some friends or colleagues with them. Maybe you have a friend with an interest in photography or floral design—he or she could enjoy discussing these crafts with the experts behind your big day.
If you choose to include children at your wedding reception—and many people do—it’s best to consult your parents and the kids’ parents. These kids are likely your cousins so you can sit them with their parents at family tables. Alternatively, if you have a large number of kids in attendance, consider setting up a designated kids’ table. Have some crafts or activities at each place to keep everyone occupied.

Avoid the singles’ table.
It’s tempting to throw single guests into a table with the hopes that they’ll mingle and maybe even match up throughout the night. However, try to skip the singles’ table altogether. It could be embarrassing for your guests once they realize where they landed on your wedding seating chart. Similarly, don’t place your unmarried friend at a table of married couples. We touched on this before, but keep your guests’ personalities and interests top of mind as you create your wedding seating chart . Don’t sit your more subdued coworkers with your rowdy college friends, for example. It might take some more thought and a few last-minute shuffles to really accommodate all of your wedding guests, but, again, it’s all in the name of a stress-free and fun reception.

While assigned seating at a wedding certainly isn't mandatory, most couples do opt to create a wedding seating chart for their big day. That's because, when hosting any kind of sit-down dinner affair, like your wedding reception , assigned seats tend to make things simpler for you and your guests. In fact, many venues actually require assigned reception seating, as it enables the wait staff to easily and efficiently manage your dinner service. But while a seating chart is a helpful tool to reference during your celebration, putting one together can seem extremely overwhelming at first. Don't worry, though: We're here to help alleviate any stress associated with this task.
According to planner Chanda Daniels, the best way for couples to tackle this wedding planning duty is to consult with their venue before beginning to put together their seating chart . "Ask for several layouts based on the guest count to see what the options are, including the plotting of dance floors, photo booths, etc.," she suggests. "That will help you determine where to seat the guests." She also recommends working on this with your partner on a Saturday morning with brunch. "Put the names on index cards and start working on it like a puzzle," Daniels advises. "Then sit with it for a day or two before it’s actually due. Once you make it final, [send] it to your planner. And remember to have fun!"

What to Consider Before Creating a Wedding Seating Chart
Before you start organizing names, you'll need to have your final guest count locked in, as you don't want to put time and energy into creating a seating chart, only to have to change everything at a later date. Once you've finalized who's coming, however, you should take the time to group your guests according to how you know them, such as family members, high school friends, college friends, work friends , etc. This doesn't mean you have to sit them according to the group, but a picture will start to form of who already knows each other and gets along.
In addition to grouping your guests by how you know them, you can also consider your guests' ages, interests, and backgrounds. "People who have kids around the same age, people who traveled to be at the wedding—find the commonality within people so they can have things to talk about, again like putting together the perfect puzzle," says Daniels. Of course, you should also be tactful: Absolutely avoid grouping people together who you know don't get along.
Finally, once you have a general sense of who should go where, you'll need to put together a game plan for your tables, as the size and shape will dictate how many guests can be seated. In general, you'll have four standard table shapes to choose from—round, rectangle, oval, and square—and each table will have its own benefits. For instance, rectangular tables can fit a greater seated capacity into a space, and it's easier for guests to talk across them. Round tables, on the other hand, are the most traditional option and afford your guests more legroom.

How to Create a Wedding Seating Chart
Below, we provide seven expert tips to follow when designing the ultimate wedding reception seating chart.
Create Either an Electronic or Physical Seating Chart
There are two ways you can organize your seating chart: electronically or by hand. For those looking to take the electronic route, sites like WeddingWire and Wedding Mapper make it incredibly easy to design a seating chart online. As a bonus, these sites have drag-and-drop seating options, which makes it simple to arrange (and rearrange) to your heart's content.
On the other hand, for couples who would prefer to make a wedding seating chart that's tactile, you can use one or more poster boards to create a physical layout and play around with it until you've found the right mix. (This is also where Daniels' index card idea comes in handy.) After you decide on what type of tables you want and where they'll be located, based on the dimensions of your venue , sketch them on the poster board. To save a lot of do-overs, keep things neat by writing each guest's name on a Post-It and then simply stick (and unstick) guests in different seating arrangements. Another option: A large whiteboard and dry-erase markers.
Keep the Venue in Mind
As mentioned, your venue layout will play a large role in where you seat your guests. More specifically, don't forget to give your VIPs the best seats in the house so they have a clear view of all the action and can jump into the celebration. Also, remember that older guests may want to be a little farther from the band (and not near a speaker).
Another venue tip to keep in mind? Guests in wheelchairs or those who need more mobility should be seated at tables that are either closer to one of the edges of the room or closer to the dance floor, so they’ll have plenty of space to maneuver as needed.
Seat younger guests who will be dancing all night near the band or the DJ, so they have easy access to the dance floor.
Figure Out Where Your Parents Will Sit
Traditionally, all of the parents will share a table at the reception, along with grandparents and any siblings that aren't in the wedding party. This gives everyone another chance to get to know each other and bask in the glow of your special day. While all of your guests will be thrilled to be there and share in your celebrations, no one will likely be as overjoyed as your parents—which is a wonderful thing for them to share together.
Of course, things can get tricky when you're dealing with divorced parents (or other more complex family circumstances). If things are tense between certain key individuals, consider having two tables that are equally close to the head table and then put one at each table. That way, no one feels uncomfortable or left out. Another option: Consider seating them at the same rectangular table but at opposite ends (and try to make the table long ).
Keep Your Wedding Party Close
A head table with your wedding party (and their dates) is a great way to acknowledge your VIP's special role and ensure you're surrounded by your BFFs during the reception. Opting for a sweetheart table ? Have your wedding party "host" tables instead. Seat them with their dates and a group of other mutual friends. They should be seated at the third-best tables in the room: The first is your sweetheart table, the second-best table is for your parents, and the third nearest table is for your wedding party (near the dance floor, naturally!).
Enlist Your Parents' Help to Seat Their Friends
If you have no idea where to seat your parents' close friends, ask your mother and future mother-in-law (or whoever is closest to them) to help arrange those tables (trust us, they'll be happy to be involved). If there's room at the family table(s), for example, your parents will be sure to have an opinion on which close friends or other extended family members they might like to have seated at their table. And if there will be another family-and-friends table nearby, they may want to help choose those guests, too.
Skip the Singles Table
If you've been dying to fix your old coworker up with your cousin, you might take this opportunity to discreetly seat them next to each other. But resist the urge to create a separate "singles" table, which might embarrass your guests. Also, don't seat your unmarried friend at a table full of married couples. Use your best judgment, and try to be sensitive to guests' feelings.
Consider a Kids' Table
If you have several children as guests at your wedding, one strategy is to seat them together at a separate kids' table, where you can even have engaging activities and/or crafts to keep them occupied. Additionally, while it might be tempting to put the babies in a corner, definitely do not put the kids' table too far away from where their parents are sitting. Younger children might get anxious when they look around and don't see their parents anywhere (and vice versa). On the other hand, if your flower girl and ring bearer are the only children present, seat them with their parents.

Convey All Table Assignments Clearly
When it comes to actually telling your guests where to sit, your goal should be to ensure everyone finds their place as easily as possible. For example, arranging guests’ names in alphabetical order (versus grouped by table) means they’ll be able to find their seats faster than if they had to read every table arrangement on the list to figure out where to go.
Opting for one or two long tables for everyone? A diagram with numbered seats, accompanied by an alphabetical list of guests’ names and seat numbers, will get them in place with ease. A font that’s easier to read is always welcome for any sort of signage, as well.
Consider Assigning Tables Only (Not Seats)
If you're truly not into an assigned seating master plan, consider assigning tables—without specific seats—instead. This way, your wedding guests will still have some direction but can make their own choices—and no one will be scrambling for seats when you’re about to make your grand entrance . That being said, put thought into who you’ll be grouping together to make sure everyone has someone to talk to and will have a good time. If you forego assigned seats or tables, also make sure your elderly guests always have a designated place to sit down.
If you plan on having a formal sit-down meal with wait staff service, assigning tables instead of specific seats may not be your best option. Venues will often require place cards for formal dining to subtly indicate which guests will be receiving which meal.

9 Prioritization Frameworks + Tools to Help You Use Them
Trying to choose the right prioritization tool or framework for your team is not easy. There are so many to choose from. If you’re feeling stuck or don’t know where to start, this guide is written to help you decide which prioritization system is best for your team and situation.
We’ve rounded up several kinds of prioritization frameworks and then recommended software to prioritize projects, tools to prioritize tasks, tools to perform strategy prioritization, apps to prioritize the product roadmap, productivity tools, and more.

What are prioritization frameworks?
A prioritization framework is a structured method or system teams or individuals use to evaluate and rank tasks, projects, or goals based on predefined criteria. It helps individuals and teams make informed decisions about what to tackle next by assigning priorities to items. Great prioritization frameworks allow us to feel good about what we choose to concentrate our efforts on the most important tasks and what work we’ve decided to delay or leave behind.
Whenever we have a list of things to do longer than our ability to execute we must prioritize. Prioritization is the act of making decisions on what to do and what to not do. There are numerous ways to prioritize. However, Deciding how to decide on a priority tool or prioritization framework can be just as difficult as making the decisions itself.

Simple Prioritization Techniques
The simplest prioritization techniques are:
- Stack ranking – also called relative prioritization
- Top-n prioritization
They are simple methods of evaluating and ordering a set of items in a list from best to worst. This can be based on value, impact, or any other metric that is important to the task at hand.
1. Stack Ranking or Relative Prioritization
Stack Ranking is a simple prioritization method in which you rank items according to a scale (for example 1-10). You think about the importance of each item relative to every other item and form a prioritized list in this manner. Imagine your prioritized list as a “stack” of cards, with the most important item on the top and the least important item on the bottom.
Stack ranking involves comparing the relative importance of ideas or tasks to one another to prioritize them. That is why stack ranking is often referred to as relative prioritization.
When to Use Stack Ranking or Relative Prioritization
- When you have a short list of items
- When you can take any two items and easily decide which of the two should be higher on the list (either by a single metric such as revenue potential or customer satisfaction or by intuition)
How to do Stack Ranking or Relative Prioritization
- Start by taking two items from your unordered list and create a new, prioritized list with the most import item at the top
- Take a item from your unordered list and compare it against the top item on the ordered list
- Ask, “is this new item more important?”
- If it is more important, place it above this item, otherwise compare your new item to the next item on the prioritized list
If you’ve run out of items on the prioritized list to compare, put your new item at the bottom of the list.
2. Top-n Ranking
The Top-n method is a more refined version of stack ranking, which involves selecting the top items from a list. This method can be useful when you’re trying to narrow down a long list to a shorter list that can be executed on. For example, you can use Top-n Ranking to narrow down to 5 goals. Or, if your team has a history of being able to work on 12-15 tasks over a given period of time you would take your top 15 tasks from a prioritized task list.
When to use Top-n Ranking
You should consider using Top-n Ranking when you’d consider using Stack Ranking, but your list of items gets too long.
How to do Top-n Ranking
- Decide how many items you’d like to include in your final ranking. For example, if you’re interested in coming up with your top 5 goals, you’ll have 5 items in your final list
- Sort all of your items. To save time when you have many items, it can be helpful to take a quick pass through the list and ask, “might this item possibly make it into our top items when we’re done?” or, “should we put this item into a high-priority, medium-priority, or low-priority pile?”
- Finalize the sort and select your Top-n items. If you find that you don’t have enough items, you can perform a finer-grained sort to any items you may have set aside in lower-priority piles.
🛠️ Prioritization Tools for Stack Ranking or Top-n Ranking
- Notion Kanban Board (free plan available): Similar to Trello, a Kanban board can be created in Notion and be used to facilitate a stack ranking activity
Prioritization Matrices
When a single prioritization metric (such as revenue potential, customer satisfaction, importance, etc.) or intuition won’t do, tasks can be prioritized by scoring them on two dimensions. You can score them by dragging them around a graphical canvas or using a spreadsheet to form a prioritization matrix.
The most common prioritization matrices are the::
- Impact vs. Effort Matrix
- Eisenhower Matrix
These methods are particularly popular for project prioritization.
3. Impact vs. Effort (aka Value vs. Effort)
An Impact vs. Effort matrix (also known as a Value vs. Effort matrix or Effort vs. Value matrix) is a simple two-by-two chart that helps folks figure out which tasks to tackle first. Picture a square divided into four smaller squares. The x-axis (horizontal line) represents a scale for “effort,” and the y-axis (vertical line) represents “impact.”
When to use an Impact vs. Effort Matrix
Impact vs. Effort matrices are helpful for cutting through the noise and bias that may result from stack ranking. They are particularly helpful when you have multiple projects or tasks competing for resources and need to decide which ones to focus on. This matrix helps you identify high-impact, low-effort tasks that should be prioritized, so whatever you prioritize should help you make the biggest impact with the lowest amount of effort.
This prioritization matrix works well for both individuals and teams. It’s super handy for figuring out where to start when everything seems important. It can also show a team where their energy is best spent, ensuring everyone is pulling in the same direction.
How to Read an Impact/Effort Matrix
- Top Left: High impact, low effort. These are your “quick wins.”
- Top Right: High impact, high effort. These are big projects that are worth the time and energy.
- Bottom Left: Low impact, low effort. These tasks aren’t urgent but are easy to do.
- Bottom Right: Low impact, high effort. These are tasks you might want to avoid or rethink.
How to Use an Impact vs. Effort Matrix
- List Tasks : Write down all the tasks or projects you’ve got on your plate.
- Rate Them : Give each task two scores – one for how much impact it will have (high or low) and another for how much effort it will take (high or low).
- Plot Them : Put each task in the relevant box on the matrix.
- Start with the “quick wins” because they’re easy and make a big difference.
- Next, look at the high impact, high effort tasks. Plan these carefully; they’re important but will take time.
- Low impact, low effort tasks can fill in the gaps.
- Seriously reconsider doing the low impact, high effort tasks. They’re usually not worth it.
4. Eisenhower Matrix
The Eisenhower Matrix helps teams focus on prioritizing according to urgency and importance. It’s named after Dwight D. Eisenhower, the 34th President of the United States who was known for his effective management and decision-making skills, which were crucial both in military operations and later in his political career.
The concept is rooted in a principle he is often credited with formulating, goes something like:
“What is important is seldom urgent, and what is urgent is seldom important.”
