As an AI consultant , marketing and design companies come to me when they need help learning to use AI tools like ChatGPT. I also help companies review potential employees for AI-specific roles by evaluating their understanding of current tools and trends.

Here's a step-by-step guide on how to get AI to write you a great cover letter that doesn't sound AI-generated. 

Learn the basics

ChatGPT works best with specific directions, so learn what makes a good cover letter before directing ChatGPT to write one. 

Isimemen Aladejobi, a career strategist, outlines three components of an effective cover letter. 

  •  A strong introduction that demonstrates company or industry knowledge. Highlight something in the news that's relevant to your prospective department. Use this topical event to segue into why you're interested in this specific position.  Aladejobi recommends always referring to the job title and company by name.
  • The body of the cover letter should convey why your skills and experience make you a perfect fit. Highlight what you brought to the table at your last job and connect it to the requirements of the role you're applying for. Even suggest initiatives you could start at the company.
  • The sign-off should be simple. Aladejobi suggests, "I'm excited and looking forward to hearing from you," which she says demonstrates enthusiasm without being too wordy. 

With this in mind, you can now start prompting ChatGPT with confidence. 

Writing your cover letter in ChatGPT-4

Be aware of the token limit.

The token limit is ChatGPT's limit on recall and comprehension during a single session. ChatGPT has a token limit of 4,096, and according to OpenAI , 100 tokens are about 75 words.

If ChatGPT starts responding to prompts illogically, you've probably hit the limit. This message to help ChatGPT refocus:

" Please search this chat for the word strawberry and reread that message and provide me a summary of what you think we need to do. We're at step [#] of that message. Tell me if you want a recap of the previous steps, and I'll provide a summary. "

Having this marker will keep ChatGPT on task and ensure an accurate end product. 

Step 1: Onboard ChatGPT to the task

ChatGPT needs very explicit instructions to complete tasks successfully. Below is the exact prompt to copy and paste into the chatbot. 

To apply for a job within your industry use this prompt: 

"Hi ChatGPT. You're now the best cover letter writer on earth. You and I will write a cover letter together for [job title] at [company]. I have [#] years of experience. Here's what we're going to do:

  •  You will ask me at least 15 questions about my work history and vision for the role. Make at least one of the questions "What initiatives would you implement in this role?"
  • I'm going to give you sections of the job description to read and you're going to generate a strategic plan for the cover letter based on my answers from step one and the job description for me to approve.
  • I'm going to give you a news item about the company. Read it and tell me how you plan to connect it to my cover letter application.
  • Use this format to write the cover letter:
  • Begin with the news item based on my approval of your strategy. Conclude paragraph one: "When I came across this role, I knew it was the role for me. Let me tell you why."
  • The next two to three paragraphs should be my career history with clear connections to the position requirements and desired skills. Make sure to say somewhere, "As your [position title], I'll," and include some of the initiatives.
  • Wrap up with the following sentence, "I'm excited and looking forward to hearing from you."

If we exceed your token limit, let's use "strawberry" as our focus word so you can get reoriented.

If you're making a pivot in your career, remove this line from the prompt: " I have [#] years of experience ," and replace it with " I'm making a career transition from [industry] to [industry] so the cover letter needs to heavily showcase how my previous experience is an asset to [Company]. "

Step 2: Check for understanding

ChatGPT should create a summary of this plan. Check that the summary is accurate. If it is, reply with " next step " or " yes ."

Step 3: Answer the career questions and have ChatGPT generate a career summary

The bot should provide you with the 15 career questions. Each answer should be two or three sentences long. You can go over for one or two questions, but be wary of potentially hitting the token limit. 

Once you've answered all the questions, add this sentence and press enter:

" Please create a detailed summary of my responses that I can paste into ChatGPT so I don't have to answer all these questions again if I need to generate another cover letter. "

Copy and paste the summary into another document to use for other applications. 

Step 4: Input no more than 2,500 characters of the job description

Copy and paste only the pertinent details from the description into ChatGPT and delete the fluff. Keep skills and competencies, responsibilities, the role overview, and a little about the company if you think it would be helpful.

Step 5: Paste in a company press release or industry-specific news story

Once ChatGPT gives you its plan, decide whether you agree with its intent. If you do, indicate that you want to move forward and press return or make a change. 

With any AI tool, you must be an editor and strategic advisor. Do not assume that what it's generated is the right path. Exercise critical judgment and get ChatGPT to refine.

For example, after I provided the article, ChatGPT presented me with a summary that didn't highlight key issues on how Canadian media companies think about content. I gave it instructions to refine it.

Step 6: Generate the cover letter and revise it with ChatGPT

Once you've approved its strategic approach, ChatGPT will generate the cover letter. 

It will generate a first draft but probably won't be ready for use yet. It's your job now to go back in and revise using specific instructions.

For example, I felt that the third paragraph ChatGPT generated was weak.

Direct it with specific changes to adjust particular paragraphs and go back and forth for a few rounds until you're happy.

And it generated a much stronger attempt.

Step 7: Put it into a text editor

ChatGPT has a suboptimal understanding of grammar and syntax. Once you're happy with the content, put your text through Grammarly to help tighten up the language and avoid problems like using the passive voice.

Step 8: Rinse and repeat with modifications

You can use the same root prompt for future cover letters, but replace step one with this:

"I'm going to paste in a summary of my work experience. Please write me a three-sentence summary of what type of work I do and what you see as my top accomplishment so I can check for understanding."

Based on the previously generated summary, you'll double-check that ChatGPT has a good idea of what you do. If it's missing a few key details, fill it in on those or tell it which summary you want it to prioritize before you move through the rest of the prompt.

For every recruiter who says that cover letters are unnecessary, there’s another who won’t consider candidates without one.

Manually crafting a cover letter for every single application is exhausting and time-consuming, but what’s the alternative?

Believe it or not, the answer may be ChatGPT.

Can ChatGPT really help you write an effective cover letter?

Yes — with the right input and customization. In other words, don’t simply expect to ask ChatGPT to write a cover letter and send it off as is.

But it can help speed up the process. By filling in ChatGPT with the appropriate information, you can automate a lot of the less-fun parts of writing a cover letter — leaving you more time to focus on the bits of the process that matter.

Here’s how to get started.

How to use ChatGPT to write a cover letter

  • A good cover letter starts in the same place as your resume — with your accomplishments. Locate the most recent version of your resume, or, if you prefer, a simple text list of your achievements and qualifications.
  • Find the job description. You can copy and paste this from the job posting (and it’s always a good idea to have a copy saved so you can reference it throughout the application process).
  • Write down some details about the company. You can copy these from the job posting or company website.
  • Create an account at the ChatGPT website (or sign in if you already have one).
  • Choose which version of ChatGPT you want to use. GPT-3.5 is the currently available free version, while GPT-4 is much better at writing but requires a subscription.
  • Write a prompt. We’ll go into more details about prompts later, but essentially, you should ask ChatGPT to create a cover letter based on your resume , tailored to the company and job description.
  • Edit your cover letter . You can use ChatGPT for this step or do it manually.

A two-step guide to writing an effective ChatGPT prompt

The most important part of getting good results from ChatGPT is writing an effective prompt. Here’s how to do just that.

Step One: Give ChatGPT a command

The first step to using ChatGPT to write a cover letter — or anything else — is to give it a command. This is how you tell it what you want to do.

Here’s the command we used — you can copy and paste this or tweak it to your liking:

Write a cover letter based on the RESUME, tailored to the JOB DESCRIPTION and COMPANY. Identify ways in which I specifically meet the requirements, have experience with the responsibilities, and will fit the company culture.
  • Use quotation marks at the start and end of the command to tell ChatGPT that everything inside them is your request
  • Use ALL CAPS for variables that you’ll fill in later (that’s the next step!)

Step Two: Fill in the variables

Now we need to define everything we put in capital letters. Add a line break (you’ll want to do this every time) and then type:

After this header, copy in your resume or a plain text version of your accomplishments and qualifications. There’s no need to reformat your resume, even if this section looks strange — ChatGPT will still be able to read it.

Add another line break, and then type:

--JOB DESCRIPTION--

Then copy the job description from the job ad. Add one more line break and type:--COMPANY--Add the information you gathered about the company — you can usually get this straight from the company’s website.

  • Typing RESUME, COMPANY, and JOB DESCRIPTION in capital letters tells ChatGPT that these should be linked to the variables in your command
  • Putting “--” at the start and end of these variables helps distinguish them from other headers in your resume
  • Don’t use quotation marks around “--RESUME--” “--JOB DESCRIPTION--” or “--COMPANY--"

That’s it — just two steps! Now let’s take a look at the results.

So, how did ChatGPT do? Like most AI-assisted writing, it’s technically sound, but it’s missing something important — personality . A good cover letter should show the hiring manager who you are, not just what you’ve done.

Going off on what ChatGPT has asked me, here are my example answers: 

Work experience:

  • Previous roles include: content manager at company ABC (2020–2023), senior content writer at company DEF (2018–2020), and content writer at company XYZ (2017–2018). 
  • As a content manager, my main responsibility was overseeing the planning, creation, and distribution of content across various platforms. As senior content writer, my main responsibility was to create engaging content aligned with the content strategy and mentor junior writers. As a content writer, my main duty was to research, write, and edit content (articles, blog posts, website copy) following a brand voice and style guide.
  • Content manager achievements include increasing website traffic, lead generation, and conversion rates. Content writer and senior content writer achievements include writing content that increased traffic and helping the company get featured on reputable publications like Forbes and getting lots of social shares.

The work history section should present your career timeline and growth, as well as the impact you had in previous companies.

  • Consider whether any results mentioned can be specified using numbers.
  • Include timeframes to further specify duties or results. 
  • Edit certain details to reflect your actual experience. 
  • Use alternative action verbs that provide a more vivid description of your contributions. 
  • Add any extra bullet points for other relevant responsibilities. 

If you remember specific achievements or duties that haven’t been included, ask ChatGPT to add these in and refine them from there. 

Education section

The education section is where you list all formal academic qualifications. 

  • Confirm if all details here such as the degree title, location, and year of graduation are correct.
  • Add any further information, like your GPA (only add it if higher than 3.5 and only if you’ve graduated less than 5 years ago).
  • If you don’t have much work experience, mention any relevant minors, honors, academic achievements, or relevant coursework.
  • If you’re an established professional, only listing your degree, school name, and graduation date will do. 

Skills section

Prioritize the most relevant competencies in the skills section. Never lie and include anything that you can’t prove you’re adept in.  

  • Put skills in categories (such as “soft” and “technical” skills) for readability. 
  • Optionally, include your proficiency level in brackets for certain skills for clarification. 
  • Add other relevant skills that haven’t been mentioned. 
  • Remove skills listed by ChatGPT that you’re not actually confident in. 
  • Mention any industry tools or software you’re capable of using. 

Additional sections

Use extra resume sections to reinforce your credibility. Tell ChatGPT about any significant side projects, qualifications, or experience that you’d like to showcase. 

  • If an additional section has been included, go through all the details and make sure the bullet points accurately depict what you did. 
  • If there are no additional sections in the original draft, consider adding one (or a few). Extra sections help you further highlight your areas of expertise and skills. Examples of other sections include certifications, projects, awards, and more. 

Summary section

The first resume summary that ChatGPT generates might not be the best representation of your strengths. In this case, clarify your career highlights and expertise, and then ask ChatGPT to refine your intro based on this. 

  • Make sure the areas of expertise highlighted are a genuine reflection of your professional strengths. 
  • Emphasize how you can uniquely contribute and how your work background is compatible with the job requirements. 
  • Ensure your summary is concise and only up to three or four sentences long. 

Have little to no work experience or changing career fields? Go for a resume objective statement instead of a summary. 

4. Ask ChatGPT to Tailor Your Resume to the Company’s Job Description

A generic resume will get overlooked. Tailoring your resume means highlighting skills and experiences that directly align with the job description. It shows you've taken the time to understand the company’s needs and how you can contribute. This means you’re way more likely to get an interview callback.

Companies don’t want to receive a resume that’s meant for anyone. They only look at resumes meant for them. 

If your resume comes across as an application that can be used for any other organization, you won’t make it past the applicant tracking systems (ATS) . 

Now, the reason I suggest using ChatGPT to tailor your resume after you refined everything and not earlier on is so that you have a general resume for a particular job title. 

Here’s what you need to do to make sure it’s built not just for a certain job title, but also for a certain company:

  • Use resume keywords . 
  • Prioritize showcasing achievements that prove you’re capable of fulfilling the role. 
  • Emphasize tasks and responsibilities related to the primary job requirements. 
  • List skills, tools, and frameworks that employers expect you to be proficient in. 

With a general resume, you can now easily tailor it for different companies you’re applying to by using ChatGPT. 

Here’s exactly how to tailor your resume using ChatGPT: 

  • Copy and paste the job ad into ChatGPT. Then, ask ChatGPT to provide you with a list of keywords, skills, achievements, and responsibilities that employers want to see in your resume. 
  • Ask ChatGPT to add some of the top keywords into your resume naturally. 
  • Make ChatGPT adjust your summary section and focus on your most relevant strengths based on the job description. (You may also ask ChatGPT if it has any questions for you to clarify so that it can provide you with an accurate output.)
  • Request ChatGPT to emphasize certain skills, tasks, and achievements for different resume sections. 
  • Tell ChatGPT to reorganize your bullet points and prioritize sentences that align most to the company’s hiring expectations.
  • Request ChatGPT to reorganize your skills section based on the job description. 
  • Ask ChatGPT if there are any particular experiences or additional sections worth considering to further tailor your application.  

Alternatively, use a resume keyword scanner to know what keywords from the job description are of highest priority. Then, copy and paste this into ChatGPT and ask it to embed these keywords into your resume.

5. Double-Check Everything

Typos and inconsistencies can ruin your resume. 

Here’s your checklist to make sure your resume is good to go: 

  • Verify all information. Since ChatGPT generated a bulk of your resume (and even though you refined everything), be sure that all details are factually accurate. This includes contact information, employment details, and so forth. 
  • Proofread everything. Ensure no grammar and spelling mistakes. Read it to yourself aloud to catch any awkward phrasing. 
  • Review all the keywords you’ve added and see if where you put them fit in naturally. 

Another tip is to get feedback from either a career coach or a resume checker . I’m more fond of the latter, considering the costs of a career expert. 

6. Put Everything Into a Resume Builder for a Professional ATS Resume Format

Even after having the perfect resume written using ChatGPT, you’ll still need a professional format. 

If you’ve been using a Word document, the format can look tacky once downloaded as a PDF .

Now, you have two options. You can either:

A resume is meant to be a concise one-page document highlighting your academic, professional, and leadership achievements, which is just as difficult as it sounds. Finding the right words to summarize what you have done in a role for an extended period in three bullets is difficult, but Open AI's  ChatGPT can make the resume-building process a breeze.

How ChatGPT can help build your resume

You can use ChatGPT to generate ideas and bullet points for your role from scratch, or to refine and optimize your current points that are not hitting the mark. Beyond bullet points, the AI tool can help you answer questions about putting together your resume. Here is how to get started.

ChatGPT will help you with the text in your resume, but you'll need to pick a template before you get started. The program you're using to write the resume -- such as Google Docs, Microsoft Word, or Canva -- will likely have a resume template already.

A quick Google search for resume templates will also bring up hundreds of editable templates you can import into your program of choice.

2. Sign in to ChatGPT (optional)

On April 1, 2024, OpenAI stopped requiring you to log in to ChatGPT. You can now access ChatGPT simply by visiting ChatGPT's website . However, if you want to take advantage of certain perks, such as being able to revisit the chat later, I recommend signing up. If you want to tweak your bullets at a later date, you won't have to start from scratch and can pick up where you left off.

Signing up is easy. All you have to do is go to OpenAI's ChatGPT homepage and create an account by creating an OpenAI login or using your existing Google or Microsoft account. ChatGPT is free, so the sign-up process is simple, requiring no credit cards or obscure information. 

3. Add text

If you want ChatGPT to generate text for your resume from scratch, all you have to do is ask. 

Whether you want it to generate your professional summary or an individual bullet, ask it directly. For example, I asked ChatGPT, "Can you write a short, professional resume summary about my role as a tech reporter?" Within seconds, it generated what you see in the screenshot above.

Although ChatGPT can create content ready to be copied and pasted into a resume, you should tweak the text so it is personalized to your experiences and doesn't look like a chatbot wrote it.

Employers want to learn about what makes you unique. Without your assistance, the chatbot will only have access to generic content about your role. You can also use the Custom Instructions feature to share some details about your role and interests that ChatGPT can reference to output the text. 

4. Use ChatGPT to revamp your text

Whether you fill out the template yourself before using ChatGPT's assistance or have an existing resume you want to enhance, ChatGPT is a great resource for polishing up text. 

All you have to do is copy and paste your text and ask ChatGPT to make it better.

For example, I asked ChatGPT, "Can you make this resume bullet sound better: I write stories about technology." Within seconds, it pushed out an elaborate bullet point that incorporated a professional tone and made that simple sentence more complex, as seen in the screenshot above.

Once you get your result, you can always tell ChatGPT to tweak it further with prompts like, "Make it shorter" or "Can you include [additional details]?"
