The best letters are unique, tailored to the job description, and written in your voice — but that doesn’t mean you can’t use a job cover letter template.

Great cover letters contain the same basic elements and flow a certain way. Take a look at this cover letter structure for ref erence while you construct your own.

1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

3. Draw them in with an opening story

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

#1. Choose the Right Cover Letter Template

As with a resume, it’s important to 

start your cover letter

 with your contact details at the top. These should be in your cover letter’s header, separated neatly from the bulk of your text.

  • Full Name. Your first and last name should stand out at the top.
  • Job Title. Match the professional title underneath your name to the exact job title of the position you’re applying for. Hiring managers often hire for several roles at once, so giving them this cue about what role you’re after helps things go smoother.
  • Email Address. Always use a professional and easy-to-spell email address. Ideally, it should combine your first and last names.
  • Phone Number. Add a number where the hiring manager can easily reach you.
  • Location. Add your city and state/country, no need for more details.
  • Relevant Links (optional). You can add links to websites or social media profiles that are relevant to your field. Examples include a LinkedIn profile , Github, or an online portfolio.

Then it’s time to add the recipient’s contact details, such as:

  • Hiring Manager's Name. If you can find the name of the hiring manager, add it.
  • Hiring Manager's Title. While there’s no harm in writing “hiring manager,” if they’re the head of the department, we recommend you use that title accordingly.
  • Company Name. Make sure to write the name of the company you're applying to.
  • Location. The city and state/country are usually enough information here, too.
  • Date of Writing (Optional). You can include the date you wrote your cover letter for an extra professional touch.

Once you’ve properly listed all the contact information, it’s time to start writing the content of the cover letter.

The first thing you need to do here is to address your cover letter directly to the hiring manager.

In fact, you want to address the hiring manager personally .

Forget the old “Dear Sir or Madam” or the impersonal “To Whom It May Concern.” You want to give your future boss a good impression and show them that you did your research before sending in your application.

No one wants to hire a job seeker who just spams 20+ companies and hopes something sticks with their generic approach

So, how do you find out who’s the hiring manager?

First, check the job ad. The hiring manager’s name might be listed somewhere in it.

If that doesn’t work, check the company’s LinkedIn page. You just need to look up the head of the relevant department you’re applying to, and you’re all set.

For example, if you’re applying for the position of Communication Specialist at Novorésumé. The hiring manager is probably the Head of Communications or the Chief Communications Officer.

Here’s what you should look for on LinkedIn:

And there you go! You have your hiring manager.

But let’s say you’re applying for a position as a server . In that case, you’d be looking for the “restaurant manager” or “food and beverage manager.”

If the results don’t come up with anything, try checking out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Make sure to address them as Mr. or Ms., followed by their last name. If you’re not sure about their gender or marital status, you can just stick to their full name, like so:

  • Dear Mr. Kurtuy,

But what if you still can’t find the hiring manager’s name, no matter where you look?

No worries. You can direct your cover letter to the company, department, or team as a whole, or just skip the hiring manager’s name.

#4. Write an Eye-Catching Introduction

First impressions matter, especially when it comes to your job search.

Hiring managers get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The biggest problem with most opening paragraphs is that they’re usually extremely generic. Here’s an example:

  • My name is Jonathan, and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a Sales Manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say anything except the fact that you’ve worked the job before.

And do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start with some of your top achievements to grab the reader’s attention. And to get the point across, the achievements should be as relevant as possible to the position.

Your opening paragraph should also show the hiring manager a bit about why you want this specific job. For example, mention how the job relates to your plans for the future or how it can help you grow professionally. This will show the hiring manager that you’re not just applying left and right—you’re actually enthusiastic about getting this particular role.

Now, let’s make our previous example shine:

Dear Mr. Smith,

My name’s Michael, and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. The second candidate starts with what they can do for the company in the future and immediately lists an impressive and relevant achievement. Since they’re experienced in the same industry and interested in finance, the hiring manager can see they’re not just a random applicant.

From this introduction, it’s safe to say that the hiring manager would read the rest of this candidate’s cover letter.

#5. Use the Cover Letter Body for Details

The next part of your cover letter is where you can go into detail about what sets you apart as a qualified candidate for the job.

The main thing you need to remember here is that you shouldn’t make it all about yourself . Your cover letter is supposed to show the hiring manager how you relate to the job and the company you’re applying to.

No matter how cool you make yourself sound in your cover letter, if you don’t tailor it to match what the hiring manager is looking for, you’re not getting an interview.

To get this right, use the job ad as a reference when writing your cover letter. Make sure to highlight skills and achievements that match the job requirements, and you’re good to go.

Since this part of your cover letter is by far the longest, you should split it into at least two paragraphs.

Here’s what each paragraph should cover:

Explain Why You’re the Perfect Candidate for the Role

Before you can show the hiring manager that you’re exactly what they’ve been looking for, you need to know what it is they’re looking for.

Start by doing a bit of research. Learn what the most important skills and responsibilities of the role are according to the job ad, and focus on any relevant experience you have that matches them.

For example, if you’re applying for the position of a Facebook Advertiser. The top requirements on the job ad are:

  • Experience managing a Facebook ad budget of $10,000+ / month
  • Some skills in advertising on other platforms (Google Search + Twitter)
  • Excellent copywriting skills

So, in the body of your cover letter, you need to show how you meet these requirements. Here’s an example of what that can look like:

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $40,000+ . As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. I created the ad copy and images, picked the targeting, ran optimization trials, and so on.

Other than Facebook advertising, I’ve also delved into other online PPC channels, including:

Explain Why You’re a Good Fit for the Company

As skilled and experienced as you may be, that’s not all the hiring manager is looking for.

They also want someone who’s a good fit for their company and who actually wants to work there.

Employees who don’t fit in with the company culture are likely to quit sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary , so hiring managers vet candidates very carefully to avoid this scenario.

So, you have to convince the hiring manager that you’re passionate about working with them.

Start by doing some research about the company. You want to know things like:

  • What’s the company’s business model?
  • What’s the company’s product or service? Have you used it?
  • What’s the company’s culture like?

Chances are, you’ll find all the information you need either on the company website or on job-search websites like Jobscan or Glassdoor.

Then, pick your favorite thing about the company and talk about it in your cover letter.

But don’t just describe the company in its own words just to flatter them. Be super specific—the hiring manager can see through any fluff.

For example, if you’re passionate about their product and you like the company’s culture of innovation and independent work model, you can write something like:

I’ve personally used the XYZ Smartphone, and I believe that it’s the most innovative tech I’ve used in years. The features, such as Made-Up-Feature #1 and Made-Up-Feature #2, were real game changers for the device.

I really admire how Company XYZ strives for excellence in all its product lines, creating market-leading tech. As someone who thrives in a self-driven environment, I truly believe that I’ll be a great match for your Product Design team.

So, make sure to do your fair share of research and come up with good reasons why you're applying to that specific company.

#6. Wrap It Up and Sign It

Finally, it’s time to conclude your cover letter.

In the final paragraph, you want to:

  • Wrap up any points you couldn't make in the previous paragraphs. Do you have anything left to say? If there’s any other information that could help the hiring manager make their decision, mention it here. If not, just recap your key selling points so far, such as key skills and expertise.
  • Express gratitude. Politely thanking the hiring manager for their time is always a good idea.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. This means you should ask the hiring manager to do something, like call you and discuss your application or arrange an interview.
  • Remember to sign your cover letter. Just add a formal closing line and sign your name at the bottom.

Here’s an example of how to end your cover letter :

  • Use Specific Examples. Instead of saying you're great at something, give an actual example to back up your claim. Any data you can provide makes you sound more credible, so quantify your achievements. For example, give numbers such as percentages related to your performance and the timeframe it took to accomplish certain achievements.
  • Research the Company. Always take time to learn about the company you're applying to. Make sure to mention something about them in your cover letter to show the hiring manager that you're interested.

Start with a simple, professional greeting . If you’re applying for a corporate job, opt for “Dear Mr./Ms. Lastname”. If your dream employer has a more relaxed company culture, you can write “Dear Firstname” instead.

Can’t find the hiring manager’s name in the job ad? Research the company’s website, do a quick search on Google or LinkedIn… or just call the company and ask who’s responsible for the hiring process.

If you still can’t find out their name, write “Dear Hiring Manager” or “Dear Hiring Team”. This greeting isn’t as great as addressing a letter to a specific person, but it’s still better than “Dear Sir or Madam” or “To whom it may concern”.

In this opening paragraph, the candidate shares two epic achievements and promises to bring similar value to the company she’s applying to.

In response to your Senior Customer Service Specialist opening, I’d like to submit my application. With 7+ years of experience in customer service, I know I would be a perfect fit for the position.

First , “Hi there” isn’t the best way to address a hiring manager at a bank.

Second , simply having 7+ years of experience doesn’t automatically make you qualified for a specific job.

Third , this intro is simply boring. HR people see those clichés dozens of times every day, and, unless they’re extremely bored and have nothing else to do, they won’t read the rest of the letter.

4. Prove You’re the Best Person for This Job

Our candidate, Jennifer, is applying for a Senior Customer Service Specialist position with The ABC Bank.

Her prospective employer has specific plans: they’re launching a new AI-based, customized platform for personal internet banking . She researched the bank’s website, read the job ad once again, and identified that the employer is specifically looking for:

  • A skilled Customer Service Specialist , obviously
  • Someone experienced in developing customer surveys to analyze insights
  • An employee good at collaboration with members from other teams

In the next paragraph of her cover letter, Jennifer shows two things:

  • She’s researched the company and knows what project she’ll be working on.
  • She has a history of professional achievements that clearly match the ideal candidate’s profile.

In the next paragraph of your cover letter, show why you’re passionate about working for this particular company. Why?

Well, no one wants to hire a person who doesn’t care about their job.

Here are some ways to show your passion:

  • Compliment the employer on an award they won or some other recent achievement
  • Demonstrate that you share the company’s values

You’re almost done! Now’s the time to end your cover letter . Write something like “Sincerely” (or any other classic closing formula for business letters ) and then add your full name.

Step 1: Prepare Yourself Beforehand

You may feel tempted to dive in straight away. But hold your horses for a few more minutes! Before writing a cover letter, it's worth knowing what to write, right? That's why you should spend some time on gathering info first.

Here are a few things to research before writing a cover letter:

  • Job requirements: make sure you understand what they are because your letter will refer to them.
  • Company website: that's the minimum. Check the company history, its goals, and try to learn about the company culture.
  • Hiring manager:  you want to address them by name, so do your best to find it!
  • Your resume: make sure it clearly shows you're a good fit for the role, and keep it nearby so you can take a look at it whenever necessary. 

Pro Tip: You can actually reach out to someone from the company you're applying to via LinkedIn. It's best to pick the hiring manager. Try to ask them a clever question about the position. Then, you will be able to refer to this exchange in your cover letter. 

Step 2: Use the proper cover letter format

There's not much freedom when it comes to the cover letter format . Writing poetry when applying for a corporate job may not be the best idea. However, there is certain freedom in choosing a template, as soon as it includes the key parts of a cover letter . The image below shows them all:

If you decide to go for a ready-made cover letter template, you'll save a lot of time. There's a large variety of styles and designs out there, including modern cover letter templates and cover letter templates for creative professions . But you can also make the template from scratch in Word or Google Docs. It's entirely up to you.

Here’s how to format your cover letter:

  • Choose a legible  cover letter font  like Arial or Garamond, and keep it between 10 and 12 points in font size.
  • Set even margins on all sides: 1-inch margins should be perfect.
  • Left-align all your contents.
  • Use double  cover letter spacing  between paragraphs and 1–1.15 between lines.

Pro Tip: Wondering whether you should use the hiring manager’s first or last name? That depends on the company culture. Use the first name if you’re applying to a relaxed, casual company. For corporate cover letters, it’s safer to use the addressee's last name.

Step 5: Make a Proper Introduction

Here’s the brutal truth: these few sentences at the beginning of your cover letter will determine whether the hiring manager will read on. So you need to write the cover letter's intro in a way that attracts and holds the reader’s interest.

Here are several proven strategies for starting your cover letter : 

  • Highlight your achievements.
  • Display your passion and enthusiasm.
  • Drop names.
  • Do all the above.

Why is the wrong example not delivering? Because it provides no value and details. The bottom line is: “I’ve already done this job, so I think I’d fit in.” And it’s just not enough for someone with more than eight years of experience to get the job.

Once you’ve written the body of your cover letter, you just need to put a formal closing at the very end. Write “Sincerely” and follow it with your full name. Adding your handwritten signature is optional (recommended for more formal cover letters).

But, a cover letter? Well, that’s often enough to inspire job seekers to give up on their job searches altogether.

We get it—drafting a cover letter that’s concise, impactful, and proves that you’re worthy of an interview is challenging. However, it’s also one of those necessary evils you’re going to need to address if you truly want to land a new gig.

In the age of LinkedIn and social media, it’s tempting to think that a cover letter is no longer a staple of your job search. And, when you’ve heard the terrifying statistics that 55% of hiring managers don’t actually read cover letters, it’s easy to write them off as a colossal waste of time.

Sure, that can be discouraging. But, think of it this way: That statistic also means that 45% of hiring managers are actually reading through that carefully crafted letter of yours.

Do you really want to take the chance and be the candidate who doesn’t submit a cover letter—when the employer was actually expecting that document? Here’s the short answer: no.

Plus, there’s another benefit to cover letters: It can be tough to tell your story and share all of your amazing skills and qualifications within the confines of your resume. Your cover letter is your chance to fill in the gaps and go beyond the bullets to share the details of why you’re a seamless fit for that position you’re eager to land.

So, make this your golden rule: When in doubt, it’s smart to submit a cover letter.

Writing a cover letter: 5 must-know tips

Now that you know that you’ll likely need a cover letter to ace your job search, it’s time to cover the basics of what makes for an impactful one.

1. Pay attention to your greeting

If you’re looking for a surefire way to get your cover letter tossed into the recycling bin, start with a generic opening like “To Whom it May Concern.”

Employers want to see that you’ve invested time into researching the company—including the key decision makers in charge of the hiring process for the job you want.

Roll up your sleeves and do some digging to figure out which name you should put at the top of that letter, whether that’s:

The department head for the role you’re applying for

The HR manager

The CEO of the company

Remember, you want a real name at the beginning of your letter to immediately demonstrate that you’ve done your homework. Skip the generic salutations.

2. Use a strong opening

You can bet that the vast majority of cover letters that hiring managers receive begin with something like, “I’m writing to express my interest in the position of…”

Sure, that opening gets to the point. But, when employers are seeing that over and over again, it certainly doesn’t make an impact or help you stand out from the sea of competition who are also vying for that role.

That’s why it’s better to start with something a little more attention-grabbing. Maybe that’s a quick anecdote about how you knew you were built for sales when you started your very first neighborhood lemonade stand. Or, maybe it’s a glimpse at the history of what inspired you to change careers.

Don’t be afraid to get a little creative—that’ll help you make a far more memorable impression.

3. Don’t regurgitate your resume

You’ve invested a lot of blood, sweat, and tears into that resume of yours. So, nobody can blame you for wanting to repurpose it in as many ways as possible.

But, know this: Your cover letter should not repeat everything that’s already on your resume. This is your chance to expand on the qualifications that make you a qualified candidate—and not just repeat them.

So, make sure that your cover letter adds some additional context or value aside from what’s already included on your resume. Otherwise, there’s really no point in sending both.

4. Highlight your key skills

You want to shine a spotlight on all of the things that make you a no-brainer fit for that position—and, your cover letter is a great place to do that. You can call attention and add more detail to those things you really want the hiring manager to know.

The best way to do that is through a few carefully selected sections you include in the body of your cover letter. Don’t worry—we’ll talk more about that when we dive into the template!

5. Tailor and tweak

Much like your resume, you can’t just create one general cover letter document and assume that you can swap out the company name and make a killer impression on every employer.

No, you need to tweak your career documents for each specific job you apply to. When your goal is to appear as relevant as possible, one blanket document just won’t work.

So, what types of things should you be tweaking? Things like your overall tone (you’d use a different voice when applying to a laid-back startup than you would a more rigid corporation) and the skills you highlight will vary depending on the details of each role and company.

It’s tempting to skip this step, particularly when you’ve already invested so much time into your starting cover letter. But, heed this warning: Tailoring your documents is super important.

You’re armed with everything you need to know to piece together a solid cover letter. But, uhh… now what?

Actually pulling it all together can be the tough part. Fortunately, we’re here to help. Take a look at the below template, add in details and make any necessary changes so it fits your own situation, and prepare to land at the top of that “to be interviewed” pile.

Dear [Company Contact’s Name], Ever since I [attention-grabbing anecdote about what got you to this point in your career]. My passion and enthusiasm for [career field] has only grown stronger since that point, and that’s why I was so excited to see the opening for the [Job Title] position with [Company Name]. I’m actively seeking a company where I can leverage my skills and [number of years] of experience to make a measurable impact and assist in achieving organization-wide goals. Here are a few of the many ways that I know I can add value for [Company Name]: [Skill #1]: I’m committed to using [skills] to [result], and have used this competency in my previous role as [previous job], where I [quantifiable achievement]. [Skill #2]: With my background in [skill or field], I know I can utilize my experience to help [Company Name] achieve [goal]. [Key Accomplishment or Honor]: I was recognized by [organization or person] for my [skill or achievement]. But if you had to flip through a hundred cover letters a day, and each one began, "To whom it may concern, I am applying for the digital marketing position at your company ...", how important would you rank them?

Your cover letter is an opportunity to showcase your personality, display your interest in the job, and include relevant information that otherwise wouldn't be surfaced in your application. An ideal cover letter leaves the hiring manager with a positive and memorable impression of you, something a resume alone won't always do.

To help you overcome writer's block and hook your reader right away, take a look at some sharp opening sentences you can use for inspiration.

  • Although [current employee] suggested I apply for this position, I don't just want to work with my former colleague again -- I want to join all of you in transforming the industry.
  • I like to think of myself as a round peg thriving in a square hole kind of world.
  • Aside from the requisite industry bona-fides in my CV, I bring the following to the table:
  • Last year, I generated [this much money] in revenue for my company, generated [this many leads], and almost tripled our social media ROI.
  • You might not know me, but your client services team certainly does, and now I want to join the vendor that made me such a successful [type of professional].
  • When I discovered [name of company] was hiring, I knew I had to apply.
  • I considered submitting my latest credit card statement as proof of just how much I love online shopping, but I thought a safer approach might be writing this cover letter, describing all the reasons why I'm the person who can take [name of ecommerce company] to the next level.
  • You might compete with my current employer, but why can't we be friends?
  • As a [current job position] with high-level management experience in the [industry], I learned that the best way to achieve success was to [biggest lesson you've learned].
  • I understand that you have been deluged with resumes since you've been listed as one of the best companies to work for. Mine is one more, but I do have experience that is hard to come by.

How to Start a Cover Letter

1. start with humor..

Employers are humans too, and they'll often appreciate a good joke, pun, or funny opening line as much as the next person. If done tastefully and respectfully, starting your cover letter off with a joke can be an excellent way to stand out.

Plus, a joke can still include a powerful explanation for why you're the right person for the job, without coming off as boastful. For instance, think about something you love to do or something you're really good at, and then imagine how friends or family might make a joke about it -- if you're really good at analyzing data, for example, a joke or pun related to that might be a good way to exemplify both your skills and personality.

Here's a good example of using humor to bring attention to your skills, from The Muse  (you'll notice this is one of our picks for most creative opening lines, earlier in this article):

"I considered submitting my latest credit card statement as proof of just how much I love online shopping, but I thought a safer approach might be writing this cover letter, describing all the reasons why I'm the girl who can take Stylight's business to the next level."

Why This Works

Right away, the personality displayed here grabs the reader's attention. Even better, this applicant uses humor to convey an important message to the employer -- she loves shopping, and she's well-versed in ecommerce as a consumer -- which might've otherwise not come up on her resume or phone screening.

2. Start with passion.

For an employer to know you'll stay dedicated to the role and company, they'll want to ensure you're passionate about what the job entails. Passion is more incentivizing than a paycheck.

For an employer, demonstrating how your passion matches the required skillset is a promising sign that you'd enjoy your job -- if you enjoy your job, you're more likely to stick around longer, help drive company growth, and become a dedicated member of the team.

Consider starting your cover letter templates with a few lines that showcase your passion: "I've been passionate about writing since I was ten years old. My love for writing has led me to write two personal travel blogs, get published in a local newspaper, and pursue two summer internships at publishing firms. Now, I'd love the opportunity to combine my writing skills with my interest in storytelling as a content marketer at Company A."

If you don't have extensive work experience in the industry you're trying to break into, but you've been unofficially preparing for years, let the employer know. In the above example, the candidate's resume would probably look weak, with only internships indicating professional experience. Her cover letter introduction, however, shows the employer she's been writing for audiences and advancing her natural ability for years.

3. Start with an accomplishment.

Employers like seeing numbers. It isn't enough to mention you're a "digital marketer with proven success in SEO strategies." Proven success? Okay, can we see?

It's more powerful to provide statistics. You want to show the employer you're capable of solving for long-term results. How have you contributed to your company's bottom line? For instance, did your Facebook marketing campaign grow your social media following, or has your blog content increased organic traffic?

Consider starting your cover letter with something like this: "Over the past year as digital marketing manager at Company A, I've generated $30k+ in revenue, increased organic traffic to our blog by 14%, and almost tripled our social media ROI."

Even if you don't have the work experience to report impressive numbers, you can still offer proof when opening with an accomplishment. Think about the qualitative feedback you've received from employers. For instance, how would your boss compliment you or tell you you're doing a good job? An accomplishment can be as simple as your boss sending you an appreciative email regarding your diligent meeting notes.

In this example from The Muse , the applicant provides an example of a skill for which he's been previously acknowledged: "My last boss once told me that my phone manner could probably diffuse an international hostage situation. I've always had a knack for communicating with people -- the easygoing and the difficult alike -- and I'd love to bring that skill to the office manager position at Shutterstock."

Even though the applicant doesn't offer numbers as proof of success, they do manage to highlight some proof of their past performance in the form of a former boss's praise. The candidate's candid and funny explanation -- that his last boss liked his phone manners -- is another good way to brag about accomplishments without, well, bragging.

How to start a cover letter by mentioning an accomplishment

4. Start with excitement for the company.

Employers want to know why you like their company, and they'll appreciate an explanation on why you're interested. But it's imperative your reasoning is thoughtful and considerate, and specific to the company. For instance, if you're applying for a financial position, don't write about your interest in finance; write about how your interest in finance relates to the company's goals.

You don't want to just say, "I'm excited to work at Company A because I'm passionate about finance, and I think my skills and experiences will be a good match." Sure, you've explained why you want to work in the financial industry, but you've done nothing to explain why Company A specifically suits your interests.

Instead, you'll want to mention something about the company and culture in correlation to your interest in finance. Take a look at this example from Glassdoor : "When I discovered Accounting Solutions was hiring, I knew I had to apply. I've been waiting to find a company where I feel like I can make a difference while working as an accountant. Not only are your clients awesome, but the overall mission of your company is something I believe in, too."

This candidate shows they've done their research and care about Accounting Solutions in particular. Remember, employers want to hire people who have a demonstrated interest in working at their company. They want someone who will enjoy the nature of the work, but just as importantly, they want a candidate who enjoys the work culture and the company mission as well.

5. Start with news about the company.

Mentioning company news in your introduction indicates you've done research on the company. Plus, including company news might give you the chance to incorporate your own values, as well. If the company just won an award for its innovative solutions in the computer industry, for instance, you might add how you value forward-thinking methods in technology, as well.

Here's an example of an introduction that uses a newsworthy event, from Indeed : "When I saw that Company ABC was featured in Fortune Magazine last month for its commitment to renewable energy and reducing waste in the workplace -- all while experiencing triple-digit revenue growth -- I was inspired. With my track record of reducing costs by 30%+ and promoting greener workplaces, I'm excited about the possibility of taking on the account executive role to expand your company's growth and work towards a more sustainable future."

The candidate does a good job demonstrating how Company ABC's news aligns well with the candidate's personal achievements. She shows she's done her research on the company, and also indicates she values similar environmental efforts in the workplace.

6. Start with what they don't know.

According to one seasoned hiring manager , a cover letter that begins, "I am writing to apply for [open position] at [name of company]" is grounds for nearly instant rejection. Of course you're applying for this job -- why waste your lede with something so boring and obvious?

Your cover letter should never directly state what they already know -- or restate what's already listed on your resume. Instead, start your cover letter by offering something new, expanding on what the employer already knows about you, and presenting new details about what you can bring to the company. Impress employers by telling them something about your skills or experiences they don't already know.

To offer new information not displayed on his resume, one of my colleagues at HubSpot wrote this cover letter introduction: "My resume will tell you I'm Content Marketing Certified. Your records will tell you I've interviewed for a few different HubSpot positions in the past. What neither one will tell you is that I've been working with your customer success team to build a new campaign strategy for my company -- one of your latest (and largest) clients."

The candidate wrote an introduction that captured the reader's attention and demonstrated he wasn't interested in wasting anyone's time. This is a memorable and impressive tactic. Consider writing a similar introduction, where you provide information absent from your resume, or even writing a letter of introduction instead of your typical cover letter.

7. Start with what you can bring to the table.

A hiring manager here at HubSpot told me she always looks for cover letters to tell her how the company and applicant can benefit each other.

Any employer is going to want to know why you think you can grow from the position you're applying to. An employer is more inclined to hire you if she thinks you have a genuine, intrinsic motivation to work hard in the role.

A hiring manager is also going to want to know how you'll contribute to the company's larger vision and goals. It's important for the manager to know what you want to get out of the role, but it's equally important to know how you'll help the company grow. How will the company benefit from you, over someone else?

Here's an example: "I am seeking opportunities to improve my writing ability in a forward-thinking environment while growing organic traffic and optimizing content to beat out competitors in search engines. At Company A, I believe I will find that match."

See how it works? In the example above, the candidate explained how she'd benefit from the role. She also explained what Company A could get out of the transaction -- increased organic traffic, and optimized content -- so the hiring manager is informed of the equality of the potential relationship.

8. Start with a statement that surprises them.

When applying for a role at HubSpot, one of my colleagues began her cover letter like this: "I like to think of myself as a round peg thriving in a square hole kind of world."

Doesn't that make you want to keep reading? It certainly kept me interested. Of course, you'll only want to include a bold statement if you can follow it up with some concrete supporting information. My colleague, for example, continued by writing this: "What does this mean? It means that my diverse background makes me a well-rounded candidate who is able to comprehend, develop and execute various functions in business."

While the rest of her cover letter veered on the side of professional, her opening line was casual, quirky, and surprising. Plus, you feel her personality in the line, and when an employer feels like a real person is behind the cover letter, she's going to want to keep reading.

9. Start with a lesson you've learned in your career.

A great way to start a cover letter is with a lesson you've learned in your industry from your experience.

For example, you might say something like, " As a [current job position] with high-level management experience in the [industry], I learned that the best way to achieve success was to [biggest lesson you've learned]."

This opening sentence lets a recruiter know your experience level. Not only that, but it starts off with how you can benefit the company, not how the company will benefit you.

10. Start off with intrigue.

When you're applying to larger corporate companies, you know that recruiters are getting hundreds of applicants for one entry-level position.

It's important to intrigue the hiring manager and recognize that they're looking at several applicants.

For example, you could say, " I understand that you have been deluged with resumes since you've been listed as one of the best companies to work for. Mine is one more, but I do have experience that is hard to come by."

After this, it'd be great to list examples, stats, and experience that set you apart from other candidates and will benefit the company.

Recruiters see countless resumes and cover letters every day. It's important to start your cover letter in a unique way so you can stand out amongst the crowd.

11. Start with a mutual connection. 

If an internal employee suggested you apply for a role at their company, don't be shy about highlighting that fact. Hiring Managers will want to see that you've been vetted — even informally — by someone else at the company. Recognizing the name of someone they know internally will likely persuade them to give you another look. 

To do this tactfully, start with something like this: "At the suggestion of my old colleague Jane Smith, I am submitting my resume for your consideration for the senior copywriter position. Jane's knowledge and enthusiasm for Company X further convinced me that this is a company where my communication skills, passion for travel, and desire to be challenged can be met."

Why This Works 

When the hiring manager sees a fellow employee can attest to your work ethic, it helps assuage any risk she might feel she's taking by hiring someone she doesn't know personally. Plus, it shows you've done your research and you're truly interested in the company itself — rather than sending off a slew of generic cover letters, you took the time to identify an internal connection.

How to start a cover letter by mentioning a mutual connection

12. Begin with your personal mission statement. 

Don't have a personal mission statement? You might want to take some time to create one . A good mission statement can help hiring managers understand why you're passionate about what you do — which goes a long way towards ensuring you'll work hard in your next role. 

A few examples on how you might start a cover letter with a personal mission statement look like this: "As a content creator, I believe inspiring readers through creative, persuasive copywriting is vital for helping them excel professionally."

Or: "As a leader, I believe encouraging innovation and creativity is critical for ensuring my employees can do their best work and improve the lives of our customers."

A manager can help you level up on certain key skills, but she can't teach you to love your job. By demonstrating an intrinsic motivation, you're essentially telling the hiring manager, "I know the importance of this role — so I won't slack off on it."

I learned that ABC Company is interviewing candidates for the permanent administrative assistant role. As you know, I have been assigned as the temporary administrative assistant since June. According to the job announcement, preferential qualifications include familiarity with company processes and procedures, and acquired proficiency with its proprietary software. Given my knowledge of the organization, positive attitude and stellar performance evaluations while working as a temp , I believe I'm perfectly suited for the permanent administrative assistant position.

Qualifications

In the second paragraph of your cover letter, describe your qualifications. The company should already know the basic qualifications you bring to the job. That's why the company hired you. However, it doesn't hurt to restate your qualifications as well as list additional skills you have learned during the time you've worked in the job. The person who hired you may not be the same person who reviews your qualifications this time. The reason you restate your qualifications is so that anyone reading your cover letter and resume will have a full picture of your qualifications.

My qualifications include a recent associate degree from Austin Community College where I gained proficiency in the latest office software systems and technology. Use your knowledge about the company to put you above other potential applicants. If you're well-liked in the organization and mention the relationships you've formed. The advantage you have over outside applicants is that you know the organizational culture and you won't have the extra ramp-up time that an outside applicant would have. Add that you collaborate well with employees in other departments, if that is part of your job. Be positive and don't sound resentful that you have to reapply for a job you are already doing well.

I am personally committed to the organization's global mission statement and core values. I have enjoyed the emphasis on teamwork. I particularly like working collaboratively with marketing, public relations and sales when preparing the company's monthly electronic newsletter.

Achievements

If you made any significant accomplishments in your current role, by all means, list them in a third paragraph. Highlight achievements directly related to the priority tasks of the position you seek. For instance, if the job announcement states that the company seeks an innovative self-starter, describe yourself that way in your application.

During the time I have been working as the temporary administrative assistant, I developed a method for organizing customer orders that improves the efficiency of the department's filing system.

Restate your interest in the job and remind the recruiter or hiring manager that you have successfully performed the job duties as a temporary worker. As a career changer, you need to help recruiters understand why you’re moving away from your former line of work and what you want to achieve in your new career path.

According to Statista [ 1 ], the average Canadian employee stays at a job for just over twelve years. Changing careers can allow you to find more meaningful work, better align your career path with your larger goals, and move into a more energizing role.  

However, for career changers, switching to a new path can sometimes involve unique challenges. 

When drafting your cover letter to apply for a job in a new line of work, you should explain your larger objectives. This article will cover specific information you can feature in your career change cover letter to help recruiters understand your goals and reasons for making a switch.

Generally, a cover letter is a chance to flesh out the bullet points you outline on your resume . It’s a space to explain your interest in the role and company, highlight your experience and skills, and sell a recruiter on the overall fit you’ll make.

Plan to include a career change objective somewhere in your cover letter, similar to how you would use a resume objective to provide a summary of your experience and goals. Explain why you’re interested in changing careers and how the role you’re applying to fits within your larger career aspirations. Don’t be afraid to share a sense of your personality so that recruiters can better connect with you.  

What this looks like: I’ve spent the last six years translating complex topics for various users as a technical writer. But in a lightbulb moment, I realized that what really drives me is the user’s experience. That’s why I want to make a career change to UX design . I believe I’ll make a strong addition to your team because my work has consistently put the user front and center. Now, I’m interested in focusing on a different facet of that goal. 

Certificates, courses, or trainings

Recruiters and hiring managers want to find the right candidate. It costs an average of US$4,129 to hire an employee, according to the Society for Human Resources Management (SHRM) in an ADP article [ 2 ]. SHRM also found it takes 42 days, on average, to fill a job opening. So, make hiring you even easier by explaining what you’ve done to prepare for your career change. Highlight any professional certificates or training you’ve completed to prepare for your new position. 

What this looks like: To familiarize myself with the tools and processes used in data analysis, I completed the Google Data Analytics Professional Certificate , which taught me SQL  and R, and trained me to clean and visualize data. Thanks to this preparation, I am confident I will make a smooth transition to your team from the very start.  

Transferable skills 

Transferable skills are “portable,” meaning you can take them from job to job. They include problem-solving, critical thinking, attention to detail, and more. When making a career change, highlighting your important workplace skills, such as communication and teamwork, can help. This can help those making the hiring decisions quickly understand your unique value to their company.  

Find out the key technical skills the job requires, highlighting any you have learned, especially regarding important software or tools. 

What this looks like: As a software developer, I regularly relied on my problem-solving skills to solve complex issues. As the new algebra teacher at ABC High School, I’ll bring that same skill and strong attention to detail, listening, and decision-making to ABC High School. 

Past achievements 

Any time you can highlight what you’ve accomplished in your past roles, you help a recruiter see your potential in a new role. Summarize moments that showcase your strengths and illustrate your work ethic or character. 

What this looks like: I am a team player and problem-solver. As a social media manager at Company X, I identified a better program to help my team schedule content. Using that tool improved my team’s efficacy, leading to our most successful quarter to date.

The idea of a career path can be rigid, suggesting that people only follow one specific track. Although that perspective is starting to shift, it’s still prevalent. 3 ways to strengthen your cover letter. 

Any time you write a cover letter, whether for a standard new role or as a career changer, you might apply these tips to strengthen your letter. After all, the cover letter is part of your important first impression on potential employers.

1. Tailor your letter for each role.

Just as you should customize your resume for each role you apply to, the same holds for your cover letter. Research the company and find out aspects of their work that interest you. Mention those details in your cover letter. You should also tailor your experience and skills to highlight the most relevant skills and accomplishments to suit each job. 

2. Get specific.

Your cover letter should expand upon your resume rather than repeating the same information. One way to do this is by giving details about your past achievements. Quantify your impact with numbers and explain how these accomplishments make you uniquely qualified for this new role. 

As a career changer, consider the cover letter as the place to make your case for your transition. The resume lists information about you and your skills and experience. In the cover letter, you can tell a story about your career trajectory and the reasons for your course change.

3. Use action words. 

Build action words into your resume and cover letter. Action verbs can liven up your cover letter and make it more interesting to read. Find verbs that succinctly and accurately depict your previous experience. Also, aim to use more dynamic action words to tell your story. For example, lots of people “lead,” “manage,” or “assist.” You can make a stronger case by choosing strong verbs specific to your roles.

If the recruiter is committed to upholding diversity recruiting, they may also need to remove information such as your name, name of your school or university, and start and end dates for job experience. This is to limit potential occurrences of unconscious bias. Some common mistakes I have found people make when emailing their resume are including pictures or not including information on how recruiters can contact them."

Scott Lieberman, founder of Touchdown Money hires people for his small business and has been on the HR hiring committee of various companies for over 10 years offers a different point of view:

“Use a PDF formatted resume to attach to the email. A PDF ensures your resume is opened with the same formatting as you typed it.” 

So if you’re applying directly to a company, you might consider using the PDF format. You can feel confident that your formatting is intact. On the other hand, if you’re emailing a resume to a recruiter a Word Document may be a better option. 

Ultimately, the type of file you send is secondary to the contents of your resume. Make sure your resume looks organized and legible and that it’s optimized based on the job description. 

4. Write an effective email subject line

Emailing a resume won’t do much good if nobody opens the email. That’s where creating a clear and concise subject line helps. 

Avoid these subject line mistakes when emailing your resume:

  • Leaving the subject line blank
  • Only putting “job application”
  • Very long subject lines

Instead, keep the subject line simple using this formula:

[Full Name Application]: [Adjective] [Job Title]  [Seeking New Opportunity at] [Company Name] [Job ID if available]

That’s the basic formula. You can tweak it to your liking, but leading with the most important details can make sure it’s not overlooked or confused for spam or promotional email.

Remember, companies may be hiring for multiple positions, so listing the job title can be helpful. Including your name makes it easier to search and listing the company name makes it specific. Lastly, adding an adjective and verb can give them a taste of who you are and what you can do for the company.

5. Email the right person

To help your email stand out and be more professional, email the person most involved in the hiring process. If the hiring manager’s name is listed on the job description, use it when addressing your email. Copy and paste carefully to avoid any misspellings. 

If you don’t see a name but there is a job title, do a little research and see if you can find the contact. For instance, find the company’s LinkedIn page and search through the employees for the title the role would report into or recruiting titles. If no contact details are available, use “hiring manager” or “recruiter.”

6. Give context

Don’t just shoot off an email saying “Resume attached!” An email is a short-form style of communication. It’s essential you lead with your point and why it matters to them. Don’t assume they’ll connect the dots, share concise context in the email and subject line.

Dear Hiring Manager,  My name is [Full Name] and I saw the [Job Title] position listed on [Website/Where you found it]. As a [Job Role] with [X years of experience], I’d love to be considered. Attached you can find my resume and cover letter. Thank you for your time and I look forward to hearing from you. Sincerely,  [Full Name] 

7. Optimize and attach the resume file

Your resume should be 10 MB or less. If your PDF file size is too large, use a compression tool to make it smaller. It should be small enough to send without compromising on quality or the ability to read it. It’ll be of no use if someone downloads your resume but can’t read it properly.

Additionally, your resume file name should be clear and include your name, job position, and company. Instead of a jumble of non-descript numbers and letters, it should look something like this:

  • Log in to Gmail
  • Click on the “Attach files” icon (look for the paper clip at the bottom of your email)
