Writing Your Cover Letter

Step 1 Carefully read the job posting and research the organization.

  • Make a list of your own skills, qualifications, and previous work experience that could be applicable to the job.
  • For instance, if you’re applying for a teller position with a local bank, you can list previous customer service work, experience handling money, and your overall trustworthiness and work ethic.
  • Visit the organization’s website to learn about their work. For a bank teller position, for example, you could learn about the specific financial products and services offered by the bank.

Step 2 Put your name, contact information, and the date at the top.

  • You can also include your phone number and email beneath your mailing address, above the date.
  • For a fancier look, center your contact information at the top of the letter, just as you would on a resume. If you do this, place the date on the left, two lines beneath your contact information.

Step 3 Place the recipient’s name and organization below your contact info.

  • For example, if the recipient was a professor and department chair at a university, you could write “Prof. Emily Smith” followed by “Chair, Department of Physics” on the next line.
  • Align this information to the left, two lines below the date.
  • If you don’t know who will read the letter, exclude the recipient’s name and title. Be sure to put the organization’s name and address.

Step 4 Include a formal greeting.

  • Use a comma after a “Dear” greeting, such as “Dear Mr. Brown.” Use the recipient's name whenever possible since this makes your cover letter more personal.

Step 5 Inform them that you are writing to apply for a specific job.

  • You could say “I’m writing to apply for the position of Instructor at Lotus Yoga Studio. I came across this opportunity on your website.”
  • You could then add “I have practiced yoga for several years and would be excited for the opportunity to teach it to students.”
  • If you learned about the position from a specific person, you can reference that person in your opening paragraph: “I was made aware of this opportunity by my close friend, Abby Smith, who was previously an instructor at your studio.”
  • You don’t need to introduce yourself by name, as in “My name is Sofia Romero.” The recruiter will see your name at the top of the letter.

  • Use keywords from the job posting that refer to specific skills. For example, “customer service,” “teaching experience,” or specific programming languages like “Javascript” could be keywords.

  • You could also reference the company’s mission and values: “I am impressed by the quality of ABC, Inc.’s products and their commitment to their customers.”

Step 8 Ask for an interview.

  • You could write: “I would welcome the chance to interview for this position. I believe my background and skill set make me an excellent fit for this role, and I see a future myself at ABC, Inc. Thank you for your time and consideration.”
  • If you know the recruiter or their managers by name, you could thank them personally: “Please send my warmest regards to Ms. Rhodes and the rest of the team.”

Step 9 End with “Sincerely,” followed by your full name.

  • If you sign the letter, sign it in the space above your printed name.
  • Make sure your letter fits on one page. If it’s too long, consider cutting down some of the paragraphs, but avoid altering the margins or making the font too small.

Step 10 Proofread your letter carefully before sending it.

  • Set the letter aside for a few hours or overnight, then read it again with “fresh” eyes. This makes it easier to catch mistakes.

Avoid assuming the person’s title. This applies to both marital status, such as using Mrs. or Miss, but also whether they have a doctorate. In general, unless this is someone you know, avoid using either Mrs. or Miss, because it can cause offense, even if used correctly.

Make sure you include a salutation. Even if you don’t know who you’re addressing, leaving one off entirely can end up either looking like a mistake or that you didn’t personalize the letter at all.

Be as specific as possible. Even if you can’t find out exactly who the hiring manager is, make sure to be specific in your greeting. Use Dear Marketing Hiring Manager rather than just Dear Hiring Manager if you’re applying for a marketing position.

Also, while HR is most often in charge of hiring, it’s best not to just address the HR department unless you know that they’re the ones who’ll be in charge of your application. Not every business has HR take care of all hiring tasks, especially if it’s a smaller company.

Addressing a cover letter correctly shows professionalism, diligence, and politeness. All of these are good for an employee to have and show you to be someone that’s worth investing further time in. While finding the proper person to address can be a chore, it helps you in several ways because:

Hiring managers get myriad applications. Remember that you aren’t the only one applying for a job. While you want to make your application stand out from the crowd if you can, you don’t want to stand out in a negative way — that’ll ensure you don’t get the job.

Individual people ultimately decide who gets hired. While the application process can feel faceless, formless, and impersonal, there are actual people at these companies that sort through resumes . And people form first impressions.

It shows that you’re willing to go the extra mile. Think about what the admired traits are in employees. If you’re willing to put in the additional effort or work to get a superior result, then that’s the sort of employee companies want to have to work for them.

It’s less impersonal. Of course the hiring process is somewhat impersonal. You’re petitioning people you don’t know and that don’t know you. But if you address a letter to Dear Hiring Manager, it doesn’t have the same effect as addressing it directly to the person.

Despite the importance of properly addressing a cover letter, not every company makes it easy for applicants to do. If the hiring manager’s name isn’t immediately apparent, then there are some other options open to you before addressing the cover letter to an unknown recipient.

Check the job listing. One simple way is to look at the application and double-check that the hiring manager’s name isn’t on the main listing. Sometimes the information isn’t on the application, but rather on the job listing. If it isn’t there you will then have to start doing a little bit more investigative work.

Check LinkedIn. You can check on LinkedIn and on the company’s website to find the hiring manager’s name. If nothing shows up, then you will have to start contacting someone at the company to find out.

Contact the company. Now, this does not mean you should contact some random person at the company who lists the company’s name on their profile. Find the contact information for the HR department, for someone who works in HR, or for the head of the department you are trying to work in and ask them if they know the name of the hiring manager for your application.

Sometimes, they will not give this information, simply so that the hiring manager can stay anonymous and not get a billion emails from applicants. This situation is more likely to happen with massive companies like Google or Apple.

If they give you a name, use it. If they don’t, then you will have to then move on to the next step of figuring out how to address a cover letter to an unknown person.

7. Closing Salutation

Here’s how to conclude your letter appropriately:

  • Use a Professional Closing: Opt for a formal and universally accepted closing phrase. Common examples include “Sincerely,” “Best regards,” or “Yours truly.” 
  • Consistency with the Tone: Ensure that the closing salutation matches the overall tone of your letter. If your letter is highly formal, a closing like “Sincerely” is appropriate. For a slightly less formal tone, “Best regards” can be a good choice.
  • Space for Signature: If you are sending a hard copy or a scanned version of the letter, leave space for your handwritten signature above your typed name. This personal touch adds authenticity to the document.
  • Typed Name and Title: Below the signature space, type your full name and title again.
