Nikoleta Kuhejda — PR & Content Manager

Optimize your legal administrative assistant resume with this quick guide

A 5-step resume guide for legal administrative assistants with writing tips, examples, and more. Topics covered include resume formats , summaries, skills, work experience, and educational credentials.

Legal administrative assistants play a crucial support role in law offices and firms. As such, employers in the field of law look for driven and dependable professionals who can carry out essential administrative tasks with efficiency and ease.

In this guide, we will cover everything you need to know about tailoring your resume to perfection as a legal administrative assistant.

Keep reading to learn how to:

  • Choose the right resume format as a legal administrative assistant
  • Write a resume summary that impresses legal employers
  • Select both hard and soft skills to show your range of abilities
  • Properly list work experience to showcase your administrative talents
  • Accurately list your educational background as a legal administrative assistant

Litigation Associate Resume Example

1. Choose the right resume format as a legal administrative assistant

Working in legal administration can be both an entry-level job or a long-term career. As such, the level of experience from one legal administrative assistant to the next can vary greatly – and choosing the best format for your resume is highly dependent on this experience level.

There are 3 main formats you can choose between when creating your legal admin assistant resume:

  • Reverse-chronological : This resume focuses on work experience, listing your most recent job first and working backward from there. The RC resume is the standard expected by most employers. However, it requires you to have enough paid work experience to fill at least half to three-quarters of a page.
  • Functional : The functional resume is designed for applicants with experience outside of formal jobs, placing the focus instead on education and skills. This format is regularly used by recent graduates of high school and college who have experience within an academic setting, but highly limited formal work experience.
  • Hybrid : The hybrid resume combines elements of both the reverse-chronological and functional formats, placing a more even amount of emphasis on all sections of the resume. This format is well-suited for applicants with limited experience, those changing career paths, or those with large gaps in their work history .

2. Write a resume summary that impresses legal employers

Writing a professional summary at the top of your resume gives you the opportunity you need to hook an employer’s attention.

Resume summaries serve as an introduction and brief insight into the applicant’s greatest strengths. Employers will not always read through an entire resume and the summary gives the applicant the chance to plainly list the most important details that make them stand out from the competition.

Here is an example of a weak resume summary, followed by a corrected example and explanation:

Incorrect legal administrative assistant resume summary example:.

Enthusiastic Legal Administrative Assistant with experience in both corporate and courtroom settings. Skills include being fluent in legal terminology, organization, and team collaboration. Earned a leadership award in previous position.

What's wrong with this example? Though it starts strong with the descriptive addition of “enthusiastic,” this summary quickly loses the reader’s interest. When writing a resume summary, you want to use compelling language and details that both intrigue and impress employers. This example lacks specificity and fails to engage the reader with clear information regarding the applicant’s skills and accomplishments.

Corrected legal administrative assistant resume summary example:

Enthusiastic Legal Administrative Assistant with 5 years of experience working in corporate law firms and state-level courtrooms. Exceptionally skilled at creating efficient organizational systems, with deep knowledge of legal terminology. Highly adept at team collaboration, earning the Company Leadership Award at previous job.

Why is this better? This corrected example offers the reader much more active and engaging language that takes them through the applicant’s skills, strengths, and accomplishments. They clearly state how many years of experience they have, as well as provide greater context around the leadership award they earned.

3. Select both hard and soft skills to show your range of abilities

Hard skills are your technical abilities that make you capable and competent in a working environment. Comparatively, soft skills are your interpersonal abilities that enable you to work well with others, both peers and customers alike.

As a legal administrative assistant, your resume will need to have a good mix of both your hard and soft skills for an employer to deem you a qualified person for the job.

To help you brainstorm skills, we have provided 10 examples of hard skills and 10 examples of soft skills:

Hard skills

  • Word Processing Software (Microsoft 365, Google Docs, etc.)
  • File Organization (Digital & Manual)
  • Billing & Invoicing
  • Schedule & Calendar Management
  • Transcription
  • Presentation Planning
  • Legal Research
  • Email Management & Composition
  • Processing & Distributing Legal Documents
  • Accurate Note Taking

Soft skills

  • Active Listening
  • Excellent Memorization
  • Verbal & Written Communication
  • Reasoning (Inductive & Deductive)
  • Proactive Problem-Solving
  • Attention to Detail
  • Confidentiality
  • Friendly Demeanor
  • Collaboration & Teamwork
  • Reception & Phone Etiquette

4. Properly list work experience to showcase your administrative talents

As a legal administrative assistant, you will have many key responsibilities that make the legal proceedings of your employer possible.

When writing your work experience , you want to showcase your administrative talents as much as possible. For instance, if you are highly knowledgeable of administrative software used to improve business operations, including this information is essential.

Here is an example of a work experience entry from a legal administrative assistant resume:

Legal Administrative Assistant | ERG Law Associates

Miami, FL | April 2018 – June 2020

  • Reported to and collaborated with a team of 7 lawyers , who represented both corporate and judicial clients.
  • Implemented a digital calendar management platform that helped reduce missed appointments by 15% and boost client satisfaction by 30% through the use of simpler scheduling procedures.
  • Conducted in-depth research on client legal issues, presenting data and findings to appropriate staff members.

Contract Administrator Resume Example

5. Accurately list your educational background as a legal administrative assistant

There are many educational pathways to becoming a legal administrative assistant. While having at least a two-year degree is recommended, applicants with high school diplomas or GEDs can also apply to employers willing to provide training and certification .

As such, your education section should detail your highest level of training, as well as any additional training and certifications you may have completed.

Here is an example of a well-crafted education section on a legal administrative assistant resume:

  • Associate’s Degree in Business Administration | Caldwell Community College
  • 2012 – 2014 | Wilkesboro, NC

Certifications

  • Accredited Legal Secre tary | The National Association of Legal Secretaries

How to write your Legal Assistant Resume

Being organized will get you everywhere. Be organized while building your resume as well and follow the below-mentioned stages:

  • First Stage: Master Legal Assistant Resume
  • Second Stage: First draft of Legal Assistant Resume
  • Third Stage: Final draft of Legal Assistant Resume

Master Legal Assistant Resume

Let’s begin building the perfect legal assistant resume. Shall we?

We start by composing a master legal assistant resume.

Here, you have to compile all your professional information in one place. By doing this you’ll not only be making your resume-building process easier but also helping your future self.

Let’s see how:

  • By compiling all your information, you are making your data easily accessible. Hence, making it easier to compose a resume that is well-suited to the needs of your current target job.
  • Secondly, this will help you in updating your resume in the future. By storing your information in one source you will be able to easily refer to all your old experiences and update information if or when the need arises.

First Draft of Legal Assistant Resume

For the second stage of writing your resume for a legal assistant, you need to build the first draft of your legal assistant resume. Use the master resume to pick out relevant points and compose the following sections:

  • Certification (if any)

Final draft of Legal Assistant Resume

Now, you have reached the third and final stage of resume-writing.

As part of this stage, you need to compose the key skills and legal assistant resume objective/summary section:

  • The key skills section: This is an important section of your legal assistant resume and must be composed second to last.
  • The summary or objective section: This section should be composed at the end as it will be easy to pick the highlights of your career and write a highly impactful resume legal assistant resume objectives or summaries.

  • Give a single space between your first name and your last name and write your resume header in the font range of 16-20 font size.
  • If you have a middle name, initialize it. Example: Katie Edwin Bell should be written as Katie E. Bell .

Legal Assistant Resume: Personal Information

This section is vital as a piece of incorrect personal information may lead to a recruiter never finding a way to contact you even when they are interested.

Mention the following when composing the personal information section of your legal secretary resume:

  • Updated mobile number
  • Professional email address
  • Location of residence

Updated Mobile Number

Mention the number you are almost always available in the following standard format:

  • Use your country’s ISD code as a prefix before your phone number
  • Put a plus sign (+) before the ISD code
  • Write your updated mobile number after the ISD code
  • Eg: +1 38723 31981.

Professional Email Address

9 out of 10 times a potential employer will use the email ID you input in your resume to get in touch with you. Hence, it does not just need to be correct but look professional too.

Draft your email address as [email protected] or in a similar professional format.

For eg: if your name is Katie Bell, the appropriate e-mail handle would be [email protected] .

Avoid using unprofessional deeming e-mail handles such as ‘[email protected]’.

Current Location of Residence

Adhere to the following guidelines while listing your location in a legal assistant resume:

  • If the job you are applying for is in the same country, mention your city name and state name.
  • If you are looking for a job in another country, mention your city name and country name.

Here you get a chance to dazzle the recruiter by highlighting the most important highlights of your career.

Mentioned below is a guide you can follow to distinguish this section:

  • Use the STAR format when structuring the one-liner points
  • Avoid using paragraphs
  • Use grouping & highlighting

Read our blog on how to compose the professional experience section in your resume to understand more about composing the perfect professional experience section.

Take a look at our legal assistant resume samples, which provide a detailed description of the applicant’s previous positions and quantify their accomplishments:

Experience Section in a Legal Assistant Resume

STAR Format

The STAR format is a handy tool to compose the professional experience section according to the industry standards.

STAR format stands for the following:

S: Situation - The situation/context of your contributions T: Task - Task that was assigned to you A: Action - The action you took to fulfill the assigned task R: Result - The results of the action in the form of an achievement figure

Through using the cause-effect relationship, you can establish the reason behind your actions and the outcome of your actions.

This makes it easy for the recruiter to comprehend the results of your contributions.

Framing Points

If you have been using paragraphs to communicate your professional experience, it’s time to break this habit.

The only goal of your resume is to get you shortlisted for an interview but if your resume fails to engage the recruiter, he might not even evaluate your resume completely.

As is famously said, an average recruiter spends less than 6 seconds on one resume. Using paragraphs discourages recruiters from reading your resume.

You certainly want to avoid that.

A simple fix is to present the same information in a more comprehensible manner by using points instead of paragraphs.

Here are two legal secretary resume samples to demonstrate this.

Example 1 :

"I resolved the billing backlogs for the company going back up to 8 months which brought the accounts receivable up to date. I was responsible for supervising and managing confidential records, processes, and documents throughout 150+ legal proceedings while directly reporting to 7 lawyers. I spearheaded a team of 4 customer service representatives as well and always ensured prompt responses to phone/e-mails which led to a wait time reduction of 40% in all client interactions. I also amassed all the inbound communication including emails, phones which amounted to 20k+ per week."

Example 2 :

Managed to bring all accounts receivable up to date by resolving billing backlogs going back up to 8 months Supervised confidential records, processes, and documents throughout for 150+ legal proceedings Spearheaded a team of 4 customer service representatives to ensure prompt responses to phone/e-mail leading to a wait time reduction by 40% in all client interactions Handled all the inbound communication including emails, phones amounting to 20k+ per week

Framing Points Analysis

Following conclusions can be drawn by observing both legal assistant resume examples:

  • While both the legal secretary resume examples are communicating the same data, legal assistant resume example 1 uses paragraphs while legal assistant resume example 2 uses points.
  • Legal assistant resume example 1 is hard to read & is incomprehensible. It looks bulky and could discourage a potential recruiter from evaluating it.
  • On the other hand, legal assistant resume example 2 uses points to discuss the candidate’s professional experience. Unlike legal assistant resume example 1, legal assistant resume example 2 succeeds in communicating the roles & responsibilities in a streamlined fashion.
  • In conclusion, we can say that avoiding the use of paragraphs while using points to structure your resume will lead to better results.

Grouping & Highlighting

Framing points alone may fail to create an impact. However, your resume will be easy to read, it might still fail to catch the recruiter’s attention.

Make your case stronger by using grouping & highlighting.

Here are two legal assistant resume examples to demonstrate this point.

Documentation & Billing Managed to bring all accounts receivable up to date by resolving billing backlogs going back up to 8 months Supervised confidential records , processes, and documents throughout for 150+ legal proceedings Client Communication Spearheaded a team of 4 customer service representatives to ensure prompt responses to phone/e-mail leading to a wait time reduction by 40% in all client interactions Handled all the inbound communication including emails, phones amounting to 20k+ per week

Legal Assistant Resume: Education

If you have a Bachelor’s Degree in any field, you can start working as a legal assistant and get trained on the job by a lawyer.

The education section of your legal assistant resume ideally consists of the following details:

  • Name of the school/university you have attended.

Skills you can include on your Experienced Legal Assistant resume

We spoke with hiring managers and recruiters at top law firms and legal departments, such as Davis Polk & Wardwell, Kirkland & Ellis, and Google, to gather their best tips for creating a winning legal assistant resume. They've seen thousands of resumes throughout their careers and know exactly what makes a candidate stand out. Here are their top pieces of advice for crafting a resume that will get you noticed and land you an interview.

Tailor your resume to the specific legal field

Not all legal assistant roles are the same. A litigation legal assistant will have different responsibilities and skills than a corporate legal assistant. Look closely at the job description and tailor your resume to highlight the most relevant experience.

For example, if applying for a litigation legal assistant role, emphasize your experience with:

  • Preparing pleadings, motions, and other legal documents
  • Organizing and maintaining case files
  • Assisting with trial preparation, such as exhibit binders and witness notebooks

On the other hand, a corporate legal assistant resume might focus more on:

  • Drafting and reviewing contracts and agreements
  • Maintaining corporate records and filings
  • Assisting with due diligence for mergers and acquisitions

Showcase your knowledge of legal terminology and procedures

Hiring managers want to see that you have a solid understanding of legal concepts and can navigate the unique terminology and procedures. Weave in specific examples throughout your resume.

Drafted discovery requests and responses, including interrogatories, requests for production, and requests for admission, in complex commercial litigation matters.

Compare that to a more generic description:

Assisted attorneys with discovery in litigation cases.

The first example demonstrates a much deeper knowledge of the discovery process and the types of documents involved, making a stronger impression.

Bullet Point Samples for Legal Assistant

Highlight your technical skills and software proficiency

Today's legal assistants need to be tech-savvy and adept with a variety of software programs. Be sure to list the specific tools you're skilled in using, such as:

  • E-discovery platforms like Relativity or Concordance
  • Document management systems such as iManage or NetDocuments
  • Legal research databases like Westlaw or LexisNexis
  • Billing and timekeeping software

Don't just list the program names though. Provide concrete examples of how you've used each one, like:

  • Conducted document review and production using Relativity for a complex antitrust case, culling data from over 500,000 documents
  • Managed and organized all case documents, correspondence and pleadings using iManage document management system

   Quantify your achievements and responsibilities

Numbers jump off the page and quickly convey the scope of your experience and impact. Whenever possible, quantify your bullet points with specific metrics. Not so impressive:

  • Drafted legal documents
  • Managed busy calendar for multiple attorneys

Much more effective:

  • Drafted 20+ legal documents per week, including motions, orders, and legal memoranda
  • Managed calendars for 6 attorneys, scheduling an average of 15 meetings, depositions and court appearances each week

The added details give a much clearer picture of how much work you can handle and the level of your responsibilities.

   Demonstrate your problem-solving abilities

Effective legal assistants can think on their feet and find creative solutions. Have an example of a time you overcame a challenge or made an improvement? Highlight it on your resume.

  • Created a new filing system that increased efficiency by 30% and saved attorneys an average of 5 hours per week in document search time
  • Discovered a critical piece of evidence while reviewing deposition transcripts that helped turn the tide in a major case

Problem-solving examples show that you take initiative, pay close attention to detail, and can be relied upon to keep cases running smoothly.

Include relevant credentials, but don't overdo it

Legal assistants can boost their resumes by earning professional certifications, such as a Certified Legal Assistant (CLA) or Registered Paralegal (RP) designation. However, be judicious about which credentials you include.

Let's compare two certification sections:

  • Certified Notary Public
  • Certified Microsoft Office Specialist
  • Advanced First Aid and CPR Certification
  • Certified Legal Assistant (CLA), National Association of Legal Assistants
  • E-Discovery Certification, Association of Certified E-Discovery Specialists (ACEDS)

The first includes certifications that, while impressive, aren't highly relevant to a legal assistant role. The second focuses on credentials that specifically relate to the job and industry, making them much more impactful to a hiring manager.

Writing Your Legal Assistant Resume: Section By Section

header, 1. put your name front and center.

Your name should be the most prominent element in your header. It's how hiring managers will identify and remember you, so make sure it stands out.

  • Jane Doe, Esq.

Avoid using nicknames or abbreviations that could be confusing or unprofessional, like:

2. Include your legal specialty

If you have a specific area of legal expertise, consider including it in your header. This can help you stand out to employers looking for assistants with your background.

Examples of legal specialties to highlight:

  • Real Estate Law
  • Corporate Law
  • Intellectual Property Law

Keep it concise though. Listing too many specialties can make your header look cluttered and unfocused.

3. Streamline your contact details

Include your phone number, email, and location so employers can easily get in touch. But keep the format simple and streamlined.

[email protected] | 212-555-1234 | New York, NY

Avoid including full mailing addresses, multiple phone numbers, or personal details like your birthday. A bad example would look like:

John Smith 123 Main St, Apt 2B New York, NY 10001 Home: 212-555-1234 Cell: 646-555-5678 [email protected] LinkedIn: linkedin.com/in/johnsmith DOB: 01/01/85

  Summary

A resume summary for a legal assistant role is optional. It's a short paragraph at the top of your resume that provides an overview of your most relevant qualifications. While it's not required, a well-written summary can grab the hiring manager's attention and convince them to keep reading.

However, avoid using an objective statement instead of a summary. Objectives are outdated and focus on what you want from the employer, rather than what you can offer them. If you have relevant legal assistant experience and skills, showcase them in your summary. But if you're a career changer or entry-level candidate, you may want to let your experience section speak for itself.

How to write a resume summary if you are applying for a Legal Assistant resume

To learn how to write an effective resume summary for your Legal Assistant resume, or figure out if you need one, please read Legal Assistant Resume Summary Examples , or Legal Assistant Resume Objective Examples .

1. Tailor your summary to the legal field

Your resume summary is the perfect place to show your passion and knowledge of the legal industry. Many legal assistants make the mistake of writing a generic summary that could apply to any job, like this:

Hardworking and detail-oriented professional with 5+ years of administrative experience. Skilled in Microsoft Office, data entry, and customer service. Seeking a challenging role with opportunities for growth.

Instead, highlight your most relevant legal skills and experience. Use industry-specific keywords to show you understand the job requirements, like this:

Detail-oriented legal assistant with 3+ years of experience supporting attorneys in a fast-paced law firm. Adept at preparing legal documents, conducting legal research, and managing case files in a litigation practice. Committed to providing excellent support to legal teams and clients.

2. Focus on your most impressive achievements

Don't just list your legal assistant duties in your summary. Employers want to see the impact you've made in your previous roles. Quantify your achievements whenever possible.

For example, instead of saying:

  • Conducted legal research
  • Managed attorney calendars

Try highlighting specific results, like:

  • Prepared 50+ legal documents per week, ensuring 100% accuracy
  • Conducted thorough legal research to support attorneys in 10+ litigation cases
  • Maintained calendars for 6 attorneys, scheduling 100+ appointments per month

By focusing on your achievements, you show the value you can bring to the role.

  Experience

The work experience section is the core of your legal assistant resume. It's where you detail your relevant experience and accomplishments to show employers you have the skills to succeed in the role.

In this section, we'll walk through the exact steps to write an effective work experience section for a legal assistant resume, including what to include and how to make your bullets impactful.

1. Focus on your most relevant experience

When writing your work experience section, prioritize the roles and responsibilities that relate most to the legal assistant position you're targeting.

For instance, if you worked as a paralegal or legal secretary, those would be highly relevant to include:

  • Paralegal, Smith & Associates Law Firm, 2018-2022
  • Legal Secretary, Acme Corporation, 2015-2018

Roles less directly related to legal assisting, like an administrative assistant position, can still be included. Just focus the bullets on transferable skills, such as organizing documents, communicating with clients, or managing schedules.

Administrative Assistant, XYZ Company, 2013-2015 Managed busy calendar for executive team, coordinating meetings and travel Prepared and proofread correspondence and presentations Served as liaison between executives and clients

Aim to show a career progression in your work experience if possible. If you've been promoted or taken on increasing responsibilities, make that clear. It demonstrates your ability to succeed and grow.

2. Use strong legal industry action verbs

When describing your experience, start each bullet point with an action verb that showcases what you did. Generic phrases like "responsible for" or "participated in" don't give a clear picture of your actual role.

Instead, choose strong verbs relevant to legal assisting:

  • Drafted legal documents including contracts and court filings
  • Investigated case law to locate relevant legal precedents
  • Interviewed clients and witnesses to gather case information

Compare those to more generic bullet points:

  • Responsible for writing legal documents
  • Tasked with researching case law
  • Helped attorneys with client interviews

The strong verbs make your contributions clear and impactful. They also incorporate key terminology from the legal field.

To find the best action verbs, look at legal assistant job descriptions. Highlight verbs in the responsibilities section, like "analyze", "prepare", "file", "organize", and "coordinate". Then reflect those in your own bullets.

3. Quantify your accomplishments with metrics

To make your experience really stand out, add numbers. Metrics give employers clear insight into the scope of your work and the impact you made.

For example, compare these two bullet points:

  • Reviewed and organized case files to prepare for trial
  • Reviewed and organized 50+ case files in preparation for trial, ensuring all necessary documentation was easily accessible

Quantifying your work gives it context. Other examples of metrics for a legal assistant could include:

  • Drafted 20+ legal documents per week, including motions and pleadings
  • Managed schedules and communications for 4 attorneys
  • Processed 100+ pages of discovery documents
  • Reduced time spent on administrative tasks by 25% by implementing new case management system

Metrics are great for your resume, but don't worry if you don't have exact numbers for everything. Educated estimates, like "Managed 50+ client contracts", are also impactful. Our Score My Resume tool can help. It checks if you're effectively using metrics and action verbs.

4. Highlight key legal tools and software

Legal assistants today need to be proficient in a variety of tools and technologies. Showcase your technical skills in your work experience bullets.

For example:

  • Managed client files and deadlines using Clio case management software
  • Conducted legal research using Westlaw and LexisNexis databases
  • Prepared and edited legal documents in Microsoft Word, Excel, and Adobe PDF

Other technical skills to highlight as a legal assistant could include:

  • E-filing court documents
  • Transcribing legal meetings and interviews
  • Proficiency in specific legal software like Tabs3 or Actionstep

Incorporating these tools shows employers you have the technical proficiency to do the job effectively.

Tailor the tools you mention to the specific job. If the job description emphasizes certain software, make sure to include your experience with those programs, if you have it.

  Education

The education section of your legal assistant resume should be concise yet informative. It's an opportunity to showcase your relevant academic background and any specialized training that qualifies you for the role. Here are some key tips to keep in mind when crafting this section:

How To Write An Education Section - Legal Assistant Roles

1. Put education at the top if you're a recent graduate

If you've graduated within the past few years and your education is your strongest qualification, place the education section above your work experience. This is especially important if you have relevant coursework or academic achievements to highlight.

Bachelor of Arts in Legal Studies , XYZ University, City, State Graduated: May 2022 GPA: 3.8/4.0 Relevant Coursework: Legal Research and Writing, Civil Procedure, Contracts, Torts

2. Keep it brief if you're an experienced professional

If you have several years of work experience as a legal assistant, your education section should be concise. Include your degree, the institution you attended, and your graduation year. There's no need to list coursework or GPA.

Here's an example of what not to do:

  • Bachelor of Arts in English, ABC College, City, State
  • Graduated: May 2012
  • Relevant Coursework: Creative Writing, American Literature, British Literature, Poetry
  • GPA: 3.2/4.0

Instead, keep it simple:

  • Bachelor of Arts in English, ABC College

3. Include relevant certifications

If you have any certifications that are relevant to your work as a legal assistant, include them in your education section. This can help you stand out from other candidates and show your commitment to professional development.

Some examples of relevant certifications:

  • Certified Legal Assistant (CLA)
  • Certified Paralegal (CP)
  • Professional Legal Secretary (PLS)
Bachelor of Science in Legal Studies, XYZ University Certified Paralegal (CP), National Association of Legal Assistants

4. Leave off unnecessary information

Your resume should be focused and relevant to the job you're applying for. Leave off any education or training that isn't directly related to your work as a legal assistant. This includes:

  • High school diploma (unless it's your highest level of education)
  • Online courses or workshops that didn't result in a certification
  • Degrees or coursework in unrelated fields

Here's an example of an education section that includes unnecessary information:

  • Bachelor of Arts in Psychology, ABC University
  • Online Course in Photography
  • High School Diploma, XYZ High School

Action Verbs For Legal Assistant Resumes

The work experience section of your resume should never read like a job description. Recruiters aren’t interested in what duties you were assigned — they want to know what you accomplished in previous roles and what you’re likely to achieve in this one. The easiest way of distinguishing between a duty and an accomplishment is by starting your bullet points with a strong resume action verb , which keeps the focus on what you actually did. As a legal assistant, you’ll be conducting research, preparing documents, and organizing legal documents. To emphasize your ability to do the job, choose action verbs that reflect what you’ll actually be doing. Systemized and Organized highlight your attention to detail and organizational skills, while Supported, Assisted, and Coordinated emphasize your teamwork and communication.

Skills for legal assistant resumes.

As a legal assistant, office administrative skills are crucial. These include both soft and hard skills, but remember not to lump these together in your skills section. Technical skills like document drafting or CLA certification are hard skills that can be listed at the bottom of your resume. Transferable skills, on the other hand — things that are harder to demonstrate, like communication skills or time management — need to be highlighted through your accomplishments rather than stated outright. To find out the exact skills hiring managers and ATS are screening for, always review the job description itself. From there, you can pull out the top skills the job is asking for. Navigating resume pitfalls can mean the difference between landing an interview or not. Missing job descriptions or unexplained work history gaps can cause recruiters to hesitate. Let's not even talk about the impact of bad grammar, and forgetting your contact info could leave your potential employer hanging. Aim to be comprehensive, concise, and accurate.

Danny Evans

Unexplained year gaps and missing job experiences are a no-no, gaps in your resume can prevent recruiters from hiring you if you don't explain them..

  • It's okay to have gaps in your work experience but always offer a valid explanation instead of just hiding it.

  • Be honest and straightforward about the gap and explain it using a professional summary.

Why this resume works

  • Metrics are just numbers that provide evidence for your claims. They’re easy to read and great at demonstrating your abilities, so try to include numbers wherever you can.
  • You can include how many people you collaborated with, how much you improved revenue, and how many staff calendars you managed, to name a few.
  • Words like “Microsoft Office Suite,” “Quickbooks,” reporting,” and “organization” are great for assuring employers you’ve got the chops for your future administrative assistant role.

Senior Administrative Assistant Resume

senior administrative assistant resume example with 8 years of experience

  • Luckily for you, there are many Word resume templates and Google Docs resume templates out there—just make sure you have a backup resume on hand in case the employer needs several copies with different layouts.
  • Action verbs like “coordinated,” “prepared,” and “maintained” do an effective job demonstrating ownership within your senior administrative assistant resume .

Administrative Assistant II Resume

administrative assistant ii resume example with 7 years of experience

  • Unlike a resume objective, a summary paragraph is a two-to-four-sentence overview of your achievements and successes in the field.
  • If your resume summary is strong enough, it can be the selling point of your entire resume, so it’s well worth spending extra time to make sure this section of your resume is perfect.
  • Focus on including a mixture of different types of metrics, including percentages, dollar values, and hard numbers (such as the number of executive schedules you managed, or the time you saved by streamlining invoicing systems).

Entry-Level Administrative Assistant Resume

Entry-level administrative assistant resume example with 3 years of experience

  • For example, did you lead a club? Volunteer somewhere? Complete a group project while in your classes? There are many options to showcase your leadership abilities!
  • If you’re still working out  how to write a resume , just know it’s okay to include non-relevant work experience on your entry-level administrative assistant resume . No matter the role, it can still highlight soft skills like responsibility, time management, and document preparation.

Administrative Assistant No Experience Resume Example

Real Estate Administrative Assistant Resume

  • That’s where metrics come in! Include the number of people you worked with or the number of clients you assisted so employers know your experience.
  • Change the font, color, and layout to match your preferences and content. Some templates allow for more work experience while others focus more on other sections, so choose accordingly.

Medical Administrative Assistant Resume

  • We’d recommend  formatting your resume  using reverse-chronological order to show your most current role first. That way, your future employer sees your most relevant abilities.
  • Include your specific experience verifying information, performing billing responsibilities, and recording data.

Administrative Assistant/Receptionist Resume

administrative assistant/receptionist resume example with 10+ years of experience

  • If you’re applying for a company with a casual culture, use vibrant colors, like pink and purple. If you’re applying to work as a criminal defense law firm receptionist, you’d better stick with more professional colors like navy or gray.
  • The goal is always to catch an employer’s attention in a good way, and color is a bright, fun way to do that! Whatever color you choose is up to you, but consider your employer when picking out shades.
  • Hard skills (aka specific technical capabilities and training) are more valuable to highlight and easier to quantify, so include them when you can.
  • Keywords like “bookkeeping,” “Asana,” and QuickBooks” are great examples of technical skills.

Administrative Coordinator Resume

administrative coordinator resume example with 3 years of experience

  • Resumes distill everything about you into one page, so you need to organize all your career details into clearly defined sections with headers.
  • Make sure you include skills that can be relevant depending on what you read in the job description. For example, workspace management software is relatively universal, so if you’re already familiar with Google Workspace, you’ll likely adapt quickly to Microsoft Office Suite.

Administrative Associate Resume

administrative associate resume example

  • Here’s a tip: highlight your achievements in light of the  administrative assistant job description . Look for repeated keywords and phrases that match your experience, then include them on your resume.
  • Want to include more skills but don’t know how? Try adding a  hobbies section to your resume  to highlight some of your abilities outside of work. Pick relevant pastimes that might interest the employer (and give you something to talk about during the interview).
  • Instead of just saying, “collaborated with department staff to source job candidates,” try adding details like the total number of job candidates you hired, or the number of departments you worked with.

Confused administrative assistant surrounded by folders and challenges of managing day-to-day tasks

As an administrative assistant, you’re the person who keeps the day-to-day operations running smoothly. You’re trusted to act as the face of the company for visitors, and you understand the importance of organization. But you might not realize just how important it is to perfect your resume. Your resume is the first thing hiring managers will look at, so ensure it demonstrates your aptitude for the job.

In this section, we’ll dive into four of the main tips we have for improving your resume, including:

  • Administrative assistant skills
  • Formatting your administrative assistant resume
  • Quantifying your previous impact
  • Customizing your resume for each job

sample resume legal administrative assistant

1. Include your administrative assistant skills wisely

If you’re unfamiliar with how hiring managers filter applicants, you may be tempted to overlook the skills section on your administrative assistant resume. But, after learning about ATS, you’ll never make that mistake again.

Hiring managers use the ATS, or applicant tracking system software, to narrow their applicant pool. The ATS works by filtering keywords (usually in your skills section) on your resume and matching them to pre-selected words prioritized by recruiters.  Your resume will be rejected if you don’t have enough matching keywords.

This system works well when there are a lot of job applicants, but it’s understandably a pain for you, the applicant, to deal with. That’s why it’s important to utilize a skills section that incorporates the right  resume skills . You can do this by focusing on the  administrative assistant job description .

Read this small excerpt from a job description and see if you can pick up on the most relevant skills for this particular administrative assistant job. Then, read ahead to see if your skills list resembles ours:

Optics Fusion is a fast-growing company seeking a self-starter administrative assistant who can recognize tasks that need completion with minimal supervision. The ideal candidate will thrive on interacting with clients and the public while displaying a high degree of professionalism. Must be comfortable working in fast-paced environments and dividing attention between many day-to-day operational tasks. Computer-savvy assistants are encouraged to apply!

Compare the list of skills you wrote down from this job description with ours :

  • Scheduling and organization
  • Communication
  • Process automation
  • Independent worker
  • Detail-oriented
  • Health insurance
  • Computer software

The job you apply for may or may not have similar skill preferences, but there will typically be a common thread of recurring keywords.

Some of the following admin assistant skills will likely pop up in job descriptions:

  • Microsoft Office
  • Data analysis
  • Financial reporting
  • Google Calendar
  • Answering calls
  • Multi-tasking

2. Pick the best resume format

Like your skills section, your resume format is important for determining whether the ATS will properly read and file your resume. Aside from the ATS, formatting your resume properly will make it easier for recruiters to read your administrative assistant resume.

To this end, we suggest using  reverse-chronological formatting , with your most recent work experience listed at the top of your resume. This will help hiring managers quickly evaluate your most relevant and (likely most impressive) work.

These are a few other critical elements for your resume formatting:

  • Page Length:  Keep your resume to  exactly  one page: no more and no less.
  • Bullet Points:  Bullet points are a useful tool to break up large pieces of text when you’re describing your work experience. Aside from making your resume more visually appealing, they’ll also make writing these sections much easier.
  • Icons/Images:  Have you considered adding icons or images to your resume? Don’t! Recruiters and the ATS both dislike them.
  • Job Title:  Customize your job title for every position to which you apply. It shows that you care enough about the position to put in the extra effort, and hiring managers will appreciate it.
  • Objective/Summary:  If you include one of these, you’ll want to ensure it’s customized (more on this in the next section).

Should you bother with a resume objective or summary?

You might notice that we just hinted that resume objectives and summary statements are optional. While it’s true that they’re not an essential element of an administrative assistant resume, there are a few specific circumstances when they might be helpful. Let’s demystify these optional sections and determine when to consider including one of them on your resume.

A  resume objective  is a customized two to three-sentence opener typically included toward the top of your resume. In the visual example below, notice how the objective briefly covers the job title, the company name you’re applying to, and why you’re applying to the specific job. We recommend including an objective only if you’re just starting your career or transitioning to another field.

Let’s go over a few of these statements, including both poor and strong examples of each:

  • This is a poor example of an objective. It’s vague and doesn’t mention anything specific that would help the hiring manager. If you’re unwilling to customize your statement, you shouldn’t include an objective.
  • This objective is much better. It’s highly specific, mentioning years of experience, a particular job title, the company name, the candidate’s skills, and how they will contribute to the company.
  • This makes a horrible first impression. Note the misspelled words and abbreviations used. Remember: a good summary/objective can improve your chances of getting hired, and a bad one can do some damage. Do you think a hiring manager would want to hire this applicant?
  • Do a little research on the job to which you’re applying. This applicant used their summary statement to demonstrate knowledge about the clinic they’re interested in working for, which hiring managers will appreciate.

3. Measure your admin assistant work with metrics

Many admin assistant applicants tell us they find it difficult to write their resumes in a way that displays confidence and job capability. Often, the problem is that they’re not quantifying their job impact with metrics (numbers).  Metrics are the easiest way to provide measurable insight into your work performance . As an administrative assistant, there are many areas in which you can include numbers on your resume. Read below for some of the best ways to leverage metrics from your previous roles:

  • Number of people:  It’s a good idea to mention the size of the companies you’ve worked for, including staff size and customer base.
  • Efficiency improvements:  Have you streamlined policies or systems? Orchestrated the switch to a new type of admin software? Has your work saved a significant amount of time?
  • Scheduling:  How many meetings do you schedule per week? Of how many executive calendars are you in charge? Do you set up appointment reminders for clients, and, have these reminders reduced the rate of late/missed client meetings?
  • Billing:  Do you process customer/patient/insurance billing? If so, how much money are you charged with managing? Do you compile expense reports?

Now that you’ve thought through areas of your job from which you can pull metrics, read through these sample work experience bullet points to get a little more inspiration:

  • Met 95% of project deadlines by mitigating all engineering hurdles and roadblocks
  • Provided remote troubleshooting to customers over the phone with a 90% success rate, resolving calls in less than 7 minutes
  • Managed 3 essential projects that facilitated more than $5 million in annual revenue

4. Modify your resume for each admin assistant job

We’ve mentioned it a few times, but it’s so important we’ll repeat it:  you must customize your resume for each job to which you apply . After all, administrative assistants have widely varying job responsibilities, and you should take the extra step to best align your resume with the specific job for each application you submit. Fortunately, you don’t have to change your entire resume, but let’s go over the areas you should customize:

  • The objective/summary:  Without a doubt, if you include a resume objective or summary statement, you’ll need to customize it. Focus on highlighting relevant skills for the position, and mention the company name. One warning—always tailor this section before you submit your application. Please don’t be the person who forgets to change the company name before submitting it to multiple jobs!
  • Skills:  Customize your skills section by referencing the job description. Usually, hiring managers are upfront about the desired skills required for the job.
  • Job description bullet points:  You can alter your job description bullet points to emphasize different types of administrative assistant jobs. For example, highlight your efficiency and time management for jobs that require multi-tasking and the ability to work in a hectic environment. Other positions, such as medical assistant jobs, may be more concerned about billing, policy compliance, and patient privacy.

Administrative assistant resume

  • Focus on covering key areas such as your computer and software literacy, customer relations, scheduling, financial reporting, billing, internal communication, and hiring.
  • If the job description mentions that some aspects are more important than others for the role, you can emphasize them more heavily.

Entry-level admin assistant resume

  • For example, you may want to highlight your ability to get along well with others, your organizational skills, and your ability to stay organized.
  • This savvy entry-level candidate absorbed excess white space with a metrics-packed internship.

Executive admin assistant resume

  • Executive administrative assistants typically work on more complex, higher-stakes administrative issues. Demonstrate your increased work responsibility.
  • You need to format your executive resume using the reverse-chronological format, which will best showcase your career growth.

Medical admin assistant resume

  • Focus on highlighting your capacity to manage insurance billing and claims.
  • Do you have an understanding of electronic medical records (EMR)? If yes, you should consider including it on your resume.
  • Demonstrate your understanding of important skills for admin assistants specific to the medical field.

Notice this applicant’s mention of keyword skills like HIPAA and EMR.
