Defending Your Dissertation: A Guide

Dissertation defenses are daunting, and no wonder; it’s not a “dissertation discussion,” or a “dissertation dialogue.” The name alone implies that the dissertation you’ve spent the last x number of years working on is subject to attack. And if you don’t feel trepidation for semantic reasons, you might be nervous because you don’t know what to expect. Our imaginations are great at making The Unknown scarier than reality. The good news is that you’ll find in this newsletter article experts who can shed light on what dissertations defenses are really like, and what you can do to prepare for them.

The first thing you should know is that your defense has already begun. It started the minute you began working on your dissertation— maybe even in some of the classes you took beforehand that helped you formulate your ideas. This, according to Dr. Celeste Atkins, is why it’s so important to identify a good mentor early in graduate school.

“To me,” noted Dr. Atkins, who wrote her dissertation on how sociology faculty from traditionally marginalized backgrounds teach about privilege and inequality, “the most important part of the doctoral journey was finding an advisor who understood and supported what I wanted from my education and who was willing to challenge me and push me, while not delaying me.  I would encourage future PhDs to really take the time to get to know the faculty before choosing an advisor and to make sure that the members of their committee work well together.”

Your advisor will be the one who helps you refine arguments and strengthen your work so that by the time it reaches your dissertation committee, it’s ready. Next comes the writing process, which many students have said was the hardest part of their PhD. I’ve included this section on the writing process because this is where you’ll create all the material you’ll present during your defense, so it’s important to navigate it successfully. The writing process is intellectually grueling, it eats time and energy, and it’s where many students find themselves paddling frantically to avoid languishing in the “All-But-Dissertation” doldrums. The writing process is also likely to encroach on other parts of your life. For instance, Dr. Cynthia Trejo wrote her dissertation on college preparation for Latin American students while caring for a twelve-year-old, two adult children, and her aging parents—in the middle of a pandemic. When I asked Dr. Trejo how she did this, she replied:

“I don’t take the privilege of education for granted. My son knew I got up at 4:00 a.m. every morning, even on weekends, even on holidays; and it’s a blessing that he’s seen that work ethic and that dedication and the end result.”

Importantly, Dr. Trejo also exercised regularly and joined several online writing groups at UArizona. She mobilized her support network— her partner, parents, and even friends from high school to help care for her son.

The challenges you face during the writing process can vary by discipline. Jessika Iwanski is an MD/PhD student who in 2022 defended her dissertation on genetic mutations in sarcomeric proteins that lead to severe, neonatal dilated cardiomyopathy. She described her writing experience as “an intricate process of balancing many things at once with a deadline (defense day) that seems to be creeping up faster and faster— finishing up experiments, drafting the dissertation, preparing your presentation, filling out all the necessary documents for your defense and also, for MD/PhD students, beginning to reintegrate into the clinical world (reviewing your clinical knowledge and skill sets)!”

But no matter what your unique challenges are, writing a dissertation can take a toll on your mental health. Almost every student I spoke with said they saw a therapist and found their sessions enormously helpful. They also looked to the people in their lives for support. Dr. Betsy Labiner, who wrote her dissertation on Interiority, Truth, and Violence in Early Modern Drama, recommended, “Keep your loved ones close! This is so hard – the dissertation lends itself to isolation, especially in the final stages. Plus, a huge number of your family and friends simply won’t understand what you’re going through. But they love you and want to help and are great for getting you out of your head and into a space where you can enjoy life even when you feel like your dissertation is a flaming heap of trash.”

While you might sometimes feel like your dissertation is a flaming heap of trash, remember: a) no it’s not, you brilliant scholar, and b) the best dissertations aren’t necessarily perfect dissertations. According to Dr. Trejo, “The best dissertation is a done dissertation.” So don’t get hung up on perfecting every detail of your work. Think of your dissertation as a long-form assignment that you need to finish in order to move onto the next stage of your career. Many students continue revising after graduation and submit their work for publication or other professional objectives.

When you do finish writing your dissertation, it’s time to schedule your defense and invite friends and family to the part of the exam that’s open to the public. When that moment comes, how do you prepare to present your work and field questions about it?

“I reread my dissertation in full in one sitting,” said Dr. Labiner. “During all my time writing it, I’d never read more than one complete chapter at a time! It was a huge confidence boost to read my work in full and realize that I had produced a compelling, engaging, original argument.”

There are many other ways to prepare: create presentation slides and practice presenting them to friends or alone; think of questions you might be asked and answer them; think about what you want to wear or where you might want to sit (if you’re presenting on Zoom) that might give you a confidence boost. Iwanksi practiced presenting with her mentor and reviewed current papers to anticipate what questions her committee might ask.  If you want to really get in the zone, you can emulate Dr. Labiner and do a full dress rehearsal on Zoom the day before your defense.

But no matter what you do, you’ll still be nervous:

“I had a sense of the logistics, the timing, and so on, but I didn’t really have clear expectations outside of the structure. It was a sort of nebulous three hours in which I expected to be nauseatingly terrified,” recalled Dr. Labiner.

“I expected it to be terrifying, with lots of difficult questions and constructive criticism/comments given,” agreed Iwanski.

“I expected it to be very scary,” said Dr. Trejo.

“I expected it to be like I was on trial, and I’d have to defend myself and prove I deserved a PhD,” said Dr Atkins.

And, eventually, inexorably, it will be time to present.  

“It was actually very enjoyable” said Iwanski. “It was more of a celebration of years of work put into this project—not only by me but by my mentor, colleagues, lab members and collaborators! I felt very supported by all my committee members and, rather than it being a rapid fire of questions, it was more of a scientific discussion amongst colleagues who are passionate about heart disease and muscle biology.”

“I was anxious right when I logged on to the Zoom call for it,” said Dr. Labiner, “but I was blown away by the number of family and friends that showed up to support me. I had invited a lot of people who I didn’t at all think would come, but every single person I invited was there! Having about 40 guests – many of them joining from different states and several from different countries! – made me feel so loved and celebrated that my nerves were steadied very quickly. It also helped me go into ‘teaching mode’ about my work, so it felt like getting to lead a seminar on my most favorite literature.”

“In reality, my dissertation defense was similar to presenting at an academic conference,” said Dr. Atkins. “I went over my research in a practiced and organized way, and I fielded questions from the audience.

“It was a celebration and an important benchmark for me,” said Dr. Trejo. “It was a pretty happy day. Like the punctuation at the end of your sentence: this sentence is done; this journey is done. You can start the next sentence.”

If you're about to complete, or have ever completed a graduate degree, you have most likely come across the term "thesis defense." In many countries, to finish a graduate degree, you have to write a thesis .

A thesis is a large paper, or multi-chapter work, based on a topic relating to your field of study.

Once you hand in your thesis, you will be assigned a date to defend your work. Your thesis defense meeting usually consists of you and a committee of two or more professors working in your program. It may also include other people, like professionals from other colleges or those who are working in your field.

During your thesis defense, you will be asked questions about your work. The main purpose of your thesis defense is for the committee to make sure that you actually understand your field and focus area.

The questions are usually open-ended and require the student to think critically about their work. By the time of your thesis defense, your paper has already been evaluated. The questions asked are not designed so that you actually have to aggressively "defend" your work; often, your thesis defense is more of a formality required so that you can get your degree.

  • Check with your department about requirements and timing.
  • Re-read your thesis.
  • Anticipate questions and prepare for them.
  • Create a back-up plan to deal with technology hiccups.
  • Plan de-stressing activities both before, and after, your defense.

How long your oral thesis defense is depends largely on the institution and requirements of your degree. It is best to consult your department or institution about this. In general, a thesis defense may take only 20 minutes, but it may also take two hours or more. The length also depends on how much time is allocated to the presentation and questioning part.

Tip: Check with your department or institution as soon as possible to determine the approved length for a thesis defense.

First of all, be aware that a thesis defense varies from country to country. This is just a general overview, but a thesis defense can take many different formats. Some are closed, others are public defenses. Some take place with two committee members, some with more examiners.

The same goes for the length of your thesis defense, as mentioned above. The most important first step for you is to clarify with your department what the structure of your thesis defense will look like. In general, your thesis defense will include:

  • your presentation of around 20-30 minutes
  • questions from the committee
  • questions from the audience (if the defense is public and the department allows it)

You might have to give a presentation, often with Powerpoint, Google slides, or Keynote slides. Make sure to prepare an appropriate amount of slides. A general rule is to use about 10 slides for a 20-minute presentation.

But that also depends on your specific topic and the way you present. The good news is that there will be plenty of time ahead of your thesis defense to prepare your slides and practice your presentation alone and in front of friends or family.

Tip: Practice delivering your thesis presentation in front of family, friends, or colleagues.

You can prepare your slides by using information from your thesis' first chapter (the overview of your thesis) as a framework or outline. Substantive information in your thesis should correspond with your slides.

The committee will ask questions about your work after you finish your presentation. The questions will most likely be about the core content of your thesis, such as what you learned from the study you conducted. They may also ask you to summarize certain findings and to discuss how your work will contribute to the existing body of knowledge.

Tip: Read your entire thesis in preparation of the questions, so you have a refreshed perspective on your work.

While you are preparing, you can create a list of possible questions and try to answer them. You can foresee many of the questions you will get by simply spending some time rereading your thesis.

Here are a few tips on how to prepare for your thesis defense:

You can absolutely prepare for most of the questions you will be asked. Read through your thesis and while you're reading it, create a list of possible questions. In addition, since you will know who will be on the committee, look at the academic expertise of the committee members. In what areas would they most likely be focused?

If possible, sit at other thesis defenses with these committee members to get a feel for how they ask and what they ask. As a graduate student, you should generally be adept at anticipating test questions, so use this advantage to gather as much information as possible before your thesis defense meeting.

Your thesis defense is a formal event, often the entire department or university is invited to participate. It signals a critical rite of passage for graduate students and faculty who have supported them throughout a long and challenging process.

While most universities don't have specific rules on how to dress for that event, do regard it with dignity and respect. This one might be a no-brainer, but know that you should dress as if you were on a job interview or delivering a paper at a conference.

It might help you deal with your stress before your thesis defense to entrust someone with the smaller but important responsibilities of your defense well ahead of schedule. This trusted person could be responsible for:

  • preparing the room of the day of defense
  • setting up equipment for the presentation
  • preparing and distributing handouts

Technology is unpredictable. Life is too. There are no guarantees that your Powerpoint presentation will work at all or look the way it is supposed to on the big screen. We've all been there. Make sure to have a plan B for these situations. Handouts can help when technology fails, and an additional clean shirt can save the day if you have a spill.

One of the scariest aspects of the defense is the possibility of being asked a question you can't answer. While you can prepare for some questions, you can never know exactly what the committee will ask.

There will always be gaps in your knowledge. But your thesis defense is not about being perfect and knowing everything, it's about how you deal with challenging situations. You are not expected to know everything.

James Hayton writes on his blog that examiners will sometimes even ask questions they don't know the answer to, out of curiosity, or because they want to see how you think. While it is ok sometimes to just say "I don't know", he advises to try something like "I don't know, but I would think [...] because of x and y, but you would need to do [...] in order to find out.” This shows that you have the ability to think as an academic.

You will be nervous. But your examiners will expect you to be nervous. Being well prepared can help minimize your stress, but do know that your examiners have seen this many times before and are willing to help, by repeating questions, for example. Dora Farkas at finishyourthesis.com notes that it’s a myth that thesis committees are out to get you.

Two common symptoms of being nervous are talking really fast and nervous laughs. Try to slow yourself down and take a deep breath. Remember what feels like hours to you are just a few seconds in real life.

  • Try meditational breathing right before your defense.
  • Get plenty of exercise and sleep in the weeks prior to your defense.
  • Have your clothes or other items you need ready to go the night before.
  • During your defense, allow yourself to process each question before answering.
  • Go to dinner with friends and family, or to a fun activity like mini-golf, after your defense.

Allow yourself to process each question, respond to it, and stop talking once you have responded. While a smile can often help dissolve a difficult situation, remember that nervous laughs can be irritating for your audience.

We all make mistakes and your thesis defense will not be perfect. However, careful preparation, mindfulness, and confidence can help you feel less stressful both before, and during, your defense.

Finally, consider planning something fun that you can look forward to after your defense.

  • In the global academic community, both spellings are generally understood and accepted. However, the choice of spelling may be influenced by the academic institution’s language conventions or the preferences of individual scholars.
  • Academic institutions may have specific guidelines regarding language conventions, and candidates are often expected to adhere to the institution’s preferred spelling.
  • Candidates may also consider the preferences of their advisors or committee members. If there is a consistent spelling convention used within the academic department, it is advisable to align with those preferences.

13 Key Questions To Expect In The Viva Voce

Preparing for your dissertation or thesis defense (also called a “viva voce”) is a formidable task . All your hard work over the years leads you to this one point, and you’ll need to defend yourself against some of the most experienced researchers you’ve encountered so far.

It’s natural to feel a little nervous.

In this post, we’ll cover some of the most important questions you should be able to answer in your viva voce, whether it’s for a Masters or PhD degree. Naturally, they might not arise in exactly the same form (some may not come up at all), but if you can answer these questions well, it means you’re in a good position to tackle your oral defense.

Viva Voce Prep: 13 Essential Questions

  • What is your study about and why did you choose to research this in particular?
  • How did your research questions evolve during the research process?
  • How did you decide on which sources to include in your literature review?
  • How did you design your study and why did you take this approach?
  • How generalisable and valid are the findings?
  • What were the main shortcomings and limitations created by your research design?
  • How did your findings relate to the existing literature?
  • What were your key findings in relation to the research questions?
  • Were there any findings that surprised you?
  • What biases may exist in your research?
  • How can your findings be put into practice?
  • How has your research contributed to current thinking in the field?
  • If you could redo your research, how would you alter your approach?

#1: What is your study about and why did you choose to research this in particular?

This question, a classic party starter, is pretty straightforward.

What the dissertation or thesis committee is assessing here is your ability to clearly articulate your research aims, objectives and research questions in a concise manner. Concise is the keyword here – you need to clearly explain your research topic without rambling on for a half-hour. Don’t feel the need to go into the weeds here – you’ll have many opportunities to unpack the details later on.

In the second half of the question, they’re looking for a brief explanation of the justification of your research. In other words, why was this particular set of research aims, objectives and questions worth addressing? To address this question well in your oral defense, you need to make it clear what gap existed within the research and why that gap was worth filling.

#2: How did your research questions evolve during the research process?

Good research generally follows a long and winding path . It’s seldom a straight line (unless you got really lucky). What they’re assessing here is your ability to follow that path and let the research process unfold.

Specifically, they’ll want to hear about the impact that the literature review process had on you in terms of shaping the research aims, objectives and research questions . For example, you may have started with a certain set of aims, but then as you immersed yourself in the literature, you may have changed direction. Similarly, your initial fieldwork findings may have turned out some unexpected data that drove you to adjust or expand on your initial research questions.

Long story short – a good defense involves clearly describing your research journey , including all the twists and turns. Adjusting your direction based on findings in the literature or the fieldwork shows that you’re responsive , which is essential for high-quality research.

#3: How did you decide on which sources to include in your literature review?

A comprehensive literature review is the foundation of any high-quality piece of research. With this question, your dissertation or thesis committee are trying to assess which quality criteria and approach you used to select the sources for your literature review.

Typically, good research draws on both the seminal work in the respective field and more recent sources . In other words, a combination of the older landmark studies and pivotal work, along with up-to-date sources that build on to those older studies. This combination ensures that the study has a rock-solid foundation but is not out of date.

So, make sure that your study draws on a mix of both the “classics” and new kids on the block, and take note of any major evolutions in the literature that you can use as an example when asked this question in your viva voce.

#4: How did you design your study and why did you take this approach?

This is a classic methodological question that you can almost certainly expect in some or other shape.

What they’re looking for here is a clear articulation of the research design and methodology, as well as a strong justification of each choice . So, you need to be able to walk through each methodological choice and clearly explain both what you did and why you did it. The why is particularly important – you need to be able to justify each choice you made by clearly linking your design back to your research aims, objectives and research questions, while also taking into account practical constraints.

#5: How generalizable and valid are the findings?

This question is aimed at specifically digging into your understanding of the sample and how that relates to the population, as well as potential validity issues in your methodology.

To answer question this well, you’ll need to critically assess your sample and findings and consider if they truly apply to the entire population, as well as whether they assessed what they set out to. Note that there are two components here – generalizability and validity . Generalizability is about how well the sample represents the population. Validity is about how accurately you’ve measured what you intended to measure .

To ace this part of your dissertation defense, make sure that you’re very familiar with the concepts of generalizability , validity and reliability , and how these apply to your research. Remember, you don’t need to achieve perfection – you just need to be aware of the strengths and weaknesses of your research (and how the weaknesses could be improved upon).

#6: What were the main shortcomings and limitations created by your research design?

This question picks up where the last one left off.

As I mentioned, it’s perfectly natural that your research will have shortcomings and limitations as a result of your chosen design and methodology. No piece of research is flawless. Therefore, a good dissertation defense is not about arguing that your work is perfect, but rather it’s about clearly articulating the strengths and weaknesses of your approach.

To address this question well, you need to think critically about all of the potential weaknesses your design may have, as well as potential responses to these (which could be adopted in future research) to ensure you’re well prepared for this question. #7: How did your findings relate to the existing literature?

This common dissertation defense question links directly to your discussion chapter , where you would have presented and discussed the findings in relation to your literature review.

What your dissertation or thesis committee is assessing here is your ability to compare your study’s findings to the findings of existing research . Specifically, you need to discuss which findings aligned with existing research and which findings did not. For those findings that contrasted against existing research, you should also explain what you believe to be the reasons for this.

As with many questions in a viva voce, it’s both the what and the why that matter here. So, you need to think deeply about what the underlying reasons may be for both the similarities and differences between your findings and those of similar studies.

Your dissertation defense needs to compare findings

#8: What were your key findings in relation to the research questions?

This question is similar to the last one in that it too focuses on your research findings. However, here the focus is specifically on the findings that directly relate to your research questions (as opposed to findings in general).

So, a good way to prepare for this question is to step back and revisit your research questions . Ask yourself the following:

  • What exactly were you asking in those questions, and what did your research uncover concerning them?
  • Which questions were well answered by your study and which ones were lacking?
  • Why were they lacking and what more could be done to address this in future research?

Conquering this part dissertation defense requires that you focus squarely on the research questions. Your study will have provided many findings (hopefully!), and not all of these will link directly to the research questions. Therefore, you need to clear your mind of all of the fascinating side paths your study may have lead you down and regain a clear focus on the research questions .

#9: Were there any findings that surprised you?

This question is two-pronged.

First, you should discuss the surprising findings that were directly related to the original research questions . Going into your research, you likely had some expectations in terms of what you would find, so this is your opportunity to discuss the outcomes that emerged as contrary to what you initially expected. You’ll also want to think about what the reasons for these contrasts may be.

Second, you should discuss the findings that weren’t directly related to the research questions, but that emerged from the data set . You may have a few or you may have none – although generally there are a handful of interesting musings that you can glean from the data set. Again, make sure you can articulate why you find these interesting and what it means for future research in the area.

What the committee is looking for in this type of question is your ability to interpret the findings holistically and comprehensively , and to respond to unexpected data. So, take the time to zoom out and reflect on your findings thoroughly.

Discuss the findings in your defense

#10: What biases may exist in your research?

Biases… we all have them.

For this question, you’ll need to think about potential biases in your research , in the data itself but also in your interpretation of the data. With this question, your committee is assessing whether you have considered your own potential biases and the biases inherent in your analysis approach (i.e. your methodology). So, think carefully about these research biases and be ready to explain how these may exist in your study.

In an oral defense, this question is often followed up with a question on how the biases were mitigated or could be mitigated in future research. So, give some thought not just to what biases may exist, but also the mitigation measures (in your own study and for future research).

#11: How can your findings be put into practice?

Another classic question in the typical viva voce.

With this question, your committee is assessing your ability to bring your findings back down to earth and demonstrate their practical value and application. Importantly, this question is not about the contribution to academia or the overall field of research (we’ll get to that next) – it is specifically asking about how this newly created knowledge can be used in the real world.

Naturally, the actionability of your findings will vary depending on the nature of your research topic. Some studies will produce many action points and some won’t. If you’re researching marketing strategies within an industry, for example, you should be able to make some very specific recommendations for marketing practitioners in that industry.

To help you flesh out points for this question, look back at your original justification for the research (i.e. in your introduction and literature review chapters). What were the driving forces that led you to research your specific topic? That justification should help you identify ways in which your findings can be put into practice.

#12: How has your research contributed to current thinking in the field?

While the previous question was aimed at practical contribution, this question is aimed at theoretical contribution . In other words, what is the significance of your study within the current body of research? How does it fit into the existing research and what does it add to it?

This question is often asked by a field specialist and is used to assess whether you’re able to place your findings into the research field to critically convey what your research contributed. This argument needs to be well justified – in other words, you can’t just discuss what your research contributed, you need to also back each proposition up with a strong why .

To answer this question well, you need to humbly consider the quality and impact of your work and to be realistic in your response. You don’t want to come across as arrogant (“my work is groundbreaking”), nor do you want to undersell the impact of your work. So, it’s important to strike the right balance between realistic and pessimistic .

This question also opens the door to questions about potential future research . So, think about what future research opportunities your study has created and which of these you feel are of the highest priority.

Discuss your contribution in your thesis defence

#13: If you could redo your research, how would you alter your approach?

This question is often used to wrap up a viva voce as it brings the discussion full circle.

Here, your committee is again assessing your ability to clearly identify and articulate the limitations and shortcomings of your research, both in terms of research design and topic focus . Perhaps, in hindsight, it would have been better to use a different analysis method or data set. Perhaps the research questions should have leaned in a slightly different direction. And so on.

This question intends to assess whether you’re able to look at your work critically , assess where the weaknesses are and make recommendations for the future. This question often sets apart those who did the research purely because it was required, from those that genuinely engaged with their research. So, don’t hold back here – reflect on your entire research journey ask yourself how you’d do things differently if you were starting with a  blank canvas today.

Thesis defense is not a 3 or 6 months’ exercise. Don’t wait until you have completed all your research objectives. Start your preparation well in advance, and make sure you know all the intricacies of your thesis and reasons to all the research experiments you conducted.

8. Practice Speech and Body Language

After successfully preparing your slides and practicing, you could start focusing on how you look while presenting your thesis. This exercise is not for your appearance but to know your body language and relax if need be.

Pay attention to your body language. Stand with your back straight, but relax your shoulders. The correct posture will give you the feel of self-confidence. So, observe yourself in the mirror and pay attention to movements you make.

9. Give Mock Presentation

Giving a trial defense in advance is a good practice. The most important factor for the mock defense is its similarity to your real defense, so that you get the experience that prepares for the actual defense.

10. Learn How to Handle Mistakes

Everyone makes mistakes. However, it is important to carry on. Do not let the mistakes affect your thesis defense. Take a deep breath and move on to the next point.

11. Do Not Run Through the Presentation

12. Get Plenty of Rest

Everyday till the day of your thesis defense, see yourself standing in front of the audience and going from one point to another.

This exercise takes a lot of commitment and persistence, but the results in the end are worth it. Visualization makes you see yourself doing the scary thing of defending your thesis.

A successful defense is the peak of your academic career, so don’t treat it lightly. Make sure that you take enough time to learn everything there is to know about the topic and prepare well. If you look at your paper and it seems raw or unfinished, and especially if your academic advisor says so, it might be best to take another semester for prep. We don’t mean to scare you, but it truly is a responsible moment, and if you fail your defense, all the years of hard work will be wasted.

Defending doctoral dissertation is not going to be easy. If you don’t get to choose the members of your board and you will be met with unfamiliar faces, you might start to panic and feel lost.   • Completion of the Dissertation : Before the defense can be scheduled, the dissertation must be completed. This involves conducting original research, writing up the findings, and often, revising the document based on the advisor's feedback.
  • Submission of the Dissertation : Once the dissertation is completed and approved by the advisor, it must be submitted to the department or dissertation committee for review. This submission typically includes a written document detailing the candidate's research findings and conclusions.
  • Scheduling the Defense : After the dissertation is submitted, a defense date is scheduled. The timing of this can vary widely depending on the institution and the specific requirements of the department.
  • Preparation for the Defense : The candidate prepares a formal presentation of their research findings. This presentation is typically structured to highlight the research question, methodology, key findings, and the significance of the work.

  • Completion of Revisions (if required) : If the committee requires revisions, the candidate must complete these before the degree can be officially awarded. The scope of revisions can vary significantly.
  • Final Submission : After any required revisions are made and approved by the committee, the final version of the dissertation is submitted to the university. This often includes submitting bound copies of the dissertation and making it available through the university's library or institutional repository.
  • Graduation and Degree Conferral : Following successful defense and submission of the final dissertation, the candidate is eligible to graduate and receive their doctoral degree.

This process is a significant milestone in an academic career, representing the transition from student to scholar and contributing new knowledge to the field.

Even though it may seem horrible and nerve-racking, the process of defending your dissertation is pretty straightforward. And if you take your time to prepare for it well, you will not have any problems with the defense itself.

In one of the committee meetings, you will discuss how much time you have for your defense and the Q&A session afterward. Normally, the whole defense lasts about an hour, but it can vary depending on the number of doctoral students defending on the same day. 

Preparing for your defense means getting thoroughly acquainted with your paper. It might seem like a ridiculous piece of advice if you’ve written it yourself, yet, with a paper of that size, it’s easy to get lost.   • A Watch or Timer : To keep track of your presentation time and ensure you cover all points within the allotted duration.

Depending on how long is a PhD defense, you will need a different supply. If you are planning to sit through your whole class’ defense, you will need lots of water, some snacks to eat during the breaks, and your presentation materials.

Why does the dissertation length vary?

Various elements, such as institutional standards, the research's complexity, the extent of analysis, and the presence of supplementary materials, can determine a dissertation's length.

The length of your defense may also depend on how long is a dissertation . If your dissertation is 70 pages, your defense will definitely run shorter than if it is 300 pages long. The dissertation committee or the dissertation chair are faculty members that will simply ask dissertation defense questions - some about research methodology, and some about the primary role of your work. How long is a thesis defense?

It depends on the length of your paper. Since your master’s thesis will probably be a bit shorter than a doctorate dissertation, you can count on your oral defense lasting up to an hour. Below is an overview of the main steps in preparing, defending, and submitting your thesis or dissertation.   • Schedule your defense and apply for graduation in DukeHub ( defense and graduation deadlines ).  
  • At least 30 days before your defense: Confirm or update your defense committee.  
  • Give your thesis/dissertation to your advisor for inspection, and prompt your advisor to send a letter to [email protected] stating that it is complete and ready to defend. Note: For students in School of Medicine Ph.D. programs, their advisor letters are generated through T3.  
  • Request your DGSA to send a departmental defense announcement to  [email protected] . Note: For students in School of Medicine Ph.D. programs, their departmental defense announcements are generated through T3.  
  • At least 2 weeks before your defense: Submit your complete, correctly formatted dissertation/thesis to ProQuest (initial submission). Also provide it to each member of your committee.  
  • Optional: After you receive an email through ProQuest from the Graduate School administrator who reviewed your thesis/dissertation format, you may make an appointment for a brief, virtual meeting with the administrator to discuss any questions you have about the defense process or the recommended formatting revisions.  
  • A few days before your defense, The Graduate School will generate your final examination certificate and email it to the chair/co-chair(s) of your examination committee and the DGSA of your department. Note:  For students in School of Medicine Ph.D. programs, their final examination certificates are generated and released through T3.  
  • Defend your dissertation. After your final examination, your committee members will vote on whether you passed or failed. Your chair and DGS will record the votes on your final examination certificate, sign it, and submit it to The Graduate School. Your committee may vote that you passed but still require minor edits or corrections before final submission.  
  • As soon as possible after your defense, submit to [email protected] the Non-Exclusive Distribution License and Thesis/Dissertation Availability Agreement (“embargo agreement”) signed by yourself and your thesis/dissertation advisor.  
  • Within 30 days after your successful defense, or by the established final submission deadline (whichever is first): Submit the final version of your dissertation/thesis to ProQuest.

The doctoral dissertation is the culmination of scholarly work in graduate school. Every PhD candidate in the Harvard Griffin Graduate School of Arts and Sciences is required to successfully complete and submit a dissertation to qualify for degree conferral. The dissertation must be submitted in one of two formats.

  • Three articles describing original empirical research that the dissertation committee deems “of publishable quality.”  The student must be the first author on each paper  or obtain approval from their committee to include papers for which they are not the first author . At least one of the three papers must be under review, in press, or published in a peer-reviewed journal. 
  • An introductory chapter that thoroughly reviews the literature relevant to the three papers.
  • A concluding chapter that describes what was learned from the three papers.

Post-prospectus changes :  If students would like to make substantive changes to the content and/or format of the dissertation after prospectus approval, they must revise their prospectus and obtain approval of the revised version from all committee members. Another meeting of the prospectus committee may be required if the changes are substantial.

If students would like to make changes to the composition of their dissertation committee after prospectus approval, they must obtain 1) approval from the primary advisor/ committee chair to make the change, and 2) approval of the prospectus by any new committee member(s). If the new member doesn't approve of the prospectus as written, the prospectus may need to be revised. If the revisions are substantial, students may need to have another full prospectus meeting to ensure the revised version of the prospectus is approved by every member of the committee.  

Dissertation Committee:  The Dissertation Committee comprises of the three members of the prospectus committee and an additional member—the outside examiner— who was not a member of the prospectus committee. The outside examiner must be approved by the CHD. Any tenured or tenure-track faculty member in the Psychology Department is automatically approved as an outside examiner.  Outside scholars require approval from your primary advisor and from the CHD. Students may ask the Graduate Program Coordinator if a particular scholar had already been approved in the past; if so, there is no further action needed by the student. If they have not been,  students should petition the CHD via email to the Graduate Program Coordinator; describe briefly why you are requesting the scholar and what they will add to the committee, i.e. "for their expertise in..." and include a copy of the scholar's CV.  

Dissertation Approval:   The dissertation must be approved by the student’s advisor before it is submitted to the dissertation committee. After the student sends the dissertation to the committee, they will have three weeks to read and assess the work. Each committee member should complete a  Dissertation Approval Form  and return it to the student and Graduate Office within three weeks. 

The committee members will receive an evaluation form, where they select among these options:

  • Not acceptable in current form and cannot be corrected without major revisions and consultation of committee.
  • Needs considerable revision, to be seen by me again. Needs committee consultation: [yes/no]
  • Is acceptable with a few minor revisions, to be seen by me again.
  • Is acceptable with voluntary minor revisions.
  • Is acceptable as is.

If substantive revisions are required, the student will need to respond to these revisions, distribute a revised version to the committee, and the committee will have two more weeks to read and assess the revised version. All committee members must approve "as is" or "with voluntary minor revisions" before the defense can proceed.  

Dissertation Defense Date: Students are responsible for coordinating the schedule for their dissertation defense date. Due to the difficulty of coordinating schedules for several faculty, students are encouraged to find a mutually agreeable tentative date and time (we recommend a 2-hour duration) for the defense and ask committee members to pencil it in. However, it is crucial to recognize that this date will be confirmed only when the student has received approval from all members of their committee. In addition, the department must advertise the defense for two weeks before the date it can be held. Therefore, we strongly recommend the dissertation be submitted to the committee ten weeks before tentative defense date to accommodate time for rounds of revisions. The date will be pushed back if the student has not received approval from all members

Defenses can take place at any point in the year, as long as the committee agrees to convene. However, note there are deadlines to complete the defense in time for November, March, and May degree conferrals. The Department recommends that the defense be held at least 1-2 weeks prior to the dissertation submission deadline for that degree period. Deadlines for the current year can be found online in Harvard Griffin GSAS Policies in the Introduction section.

To submit: Email your dissertation as a single Word Doc or PDF file (or both) to your committee, cc’ing the Graduate Program coordinator. The Graduate Program Coordinator will follow up on this email by distributing the Dissertation Approval Form .  

Oral Defense:   Once the dissertation committee has approved the written dissertation, the student should book a room for the defense and send an abstract to the Graduate Office, which will announce the defense to the Department. WJH 1550 and 105, and NW 243 are the most common choices for a room. Students should submit a room request through FAS RoomBook . Committee members may participate remotely, if necessary, via Zoom or speakerphone. The Building Operations Office can lend a conference phone for this purpose. The Department does not have a budget to fly in committee members from other institutions except for former Harvard Psychology faculty members, although students should consult with their individual advisors to determine whether they would cover travel costs. We can provide a parking pass for committee members at nearby institutions.

The oral examination is moderated by the student's advisor, who is the Committee Chair. The advisor will introduce the student. The student gives a talk  about the work, and then the advisor will ask for questions from the committee. Talk times vary depending on area; please check in with your advisor to confirm. If there is time, the advisor may also choose to invite questions from the audience. The defense is a public event open to all. At the conclusion of the examination, the candidate and audience are dismissed, and the committee meets to make a final evaluation of the student's candidacy for a PhD. In cases of a positive evaluation, the committee members sign the Dissertation Acceptance Certificate .   

Dissertation Acceptance Certificate (DAC):   Students must complete a dissertation acceptance certificate (DAC), which includes the title of the dissertation and signatures of at least three readers approved by the student’s program. Prior to the oral defense, the Graduate Office will prepare a DAC, which includes the title of the dissertation, student name, and signature lines for each committee member The title on the DAC must read exactly as it does on the title page of the dissertation. A copy of the signed DAC should appear before the title page of the online dissertation submission; no page number should be assigned to the DAC. The DAC will be included in all copies of the dissertation.  

Dissertation Submission:   Following the successful oral defense, students must submit their dissertation in PDF format to the FAS Registrar’s Office through  ProQuest ETD by the deadline established for each degree conferral date (see the Harvard Griffin GSAS  Degree Calendar  or the  Registrar’s Office website ). Please carefully review the  dissertation formatting  before submitting online. Formatting errors may prevent students from receiving their degree. Harvard Griffin GSAS provides this helpful Dissertation Submission Checklist . The DAC must additionally be uploaded as a separate "Administrative Document" when submitting the electronic dissertation. The Registrar’s Office will review the dissertation for compliance and will contact the student to confirm acceptance or to request alterations. Having a ph.d. means that you have made some novel contributions to the grand field. this is about you and your research. you need to keep emphasizing your contributions throughout your presentation. after talking about what needs to be solved, try to focus on emphasizing the novelty of your work. what problems can be solved using your research outcomes what breakthroughs have you made to the field why are your methods and outcomes outstanding you need to incorporate answers to these questions in your presentation. , be clear what your contributions are in the introduction section; separate what was done by others and what was done by you. , 3. connect your projects into a whole piece of work, you might have been doing multiple projects that are not strongly connected. to figure out how to connect them into a whole piece, use visualizations such as flow charts to convince your audience. the two slides below are two examples. in the first slide, which was presented in the introduction section, the presenter used a flow diagram to show the connection between the three projects. in the second slide, the presenter used key figures and a unique color for each project to show the connection..

4. Tell a good story 

The committee members do not necessarily have the same background knowledge as you. plus, there could be researchers from other fields and even the general public in the room. you want to make sure all of your audience can understand as much as possible. focus on the big picture rather than technical details; make sure you use simple language to explain your methods and results. your committee has read your dissertation before your defense, but others have not. , dr. cook and dr. velibeyoglu did a good job explaining their research to everyone. the introduction sessions in their presentations are well designed for this purpose. .

5. Transition, transition, transition

Use transition slides to connect projects , it's a long presentation with different research projects. you want to use some sort of transition to remind your audience what you have been talking about and what is next. you may use a slide that is designed for this purpose throughout your presentation. , below are two examples. these slides were presented after the introduction section. the presenters used the same slides and highlighted the items for project one to indicate that they were moving on to the first project. throughout the presentation, they used these slides and highlighted different sections to indicate how these projects fit into the whole dissertation. .

You can also use some other indications on your slides, but remember not to make your slides too busy.  Below are two examples. In the first example, the presenter used chapter numbers to indicate what he was talking about. In the second example, the presenter used a progress bar with keywords for each chapter as the indicator.

Use transition sentences to connect slides 

Remember transition sentences are also important; use them to summarize what you have said and tell your audience what they will expect next. if you keep forgetting the transition sentence, write a note on your presentation. you can either write down a full sentence of what you want to say or some keywords., 6. be brief, put details in backup slides , you won't have time to explain all of the details. if your defense presentation is scheduled for 45 minutes, you can only spend around 10 minutes for each project - that's shorter than a normal research conference presentation focus on the big picture and leave details behind. you can put the details in your backup slides, so you might find them useful when your committee (and other members of the audience) ask questions regarding these details., 7. show your presentation to your advisor and colleagues, make sure to ask your advisor(s) for their comments. they might have a different view on what should be emphasized and what should be elaborated. , you also want to practice at least once in front of your colleagues. they can be your lab mates, people who work in your research group, and/or your friends. they do not have to be experts in your field. ask them to give you some feedback - their comments can be extremely helpful to improve your presentation. , below are some other tips and resources to design your defense presentation. .

Defending your thesis or dissertation.

Certain special exams are required to earn an advanced degree in the research-based programs at Cornell. Often, these exams need to be taken with consideration of anticipated completion dates.  Enrollment in future semesters after the date a student passes their M or B exam is not permitted. See Taking Exams for more information.

Exams Required for M.A. and M.S. Degree Defense

If you are enrolled in an M.A. or M.S. degree program, you must pass the final examination for the master’s degree. You can take this after all degree requirements have been fulfilled, but no earlier than one month before completing the minimum number of enrolled semesters.

To pass the exam unconditionally and receive a degree, all regular, proxy, and field-appointed members of the examining committee must assent that the exam was passed unconditionally. If you are enrolled in an M.S./Ph.D. degree program where the M.A. or M.S. degree is a prerequisite for your Ph.D., you may petition your special committee to approve combining the final examination for the master’s degree with the examination for the admission to candidacy.

Exam forms required for the master’s degree include “Schedule Master’s Examination” and “Master’s Exam Results Form and Instructions.”

Exams Required for Ph.D. Degree Defense

The B exam is an oral defense of your thesis or dissertation. This exam can be taken after completing all degree requirements, but not earlier than one month before completing the minimum number of enrolled semesters. At least two semesters of successful registration must be completed between the passing of the A exam and the scheduling of the B exam.

Exam forms required for the Ph.D. degree include “Schedule A Examination and Research Compliance Form,” “Schedule B Examination,” “A Exam Results Form,” and “B Exam Results Form.”

The qualifying exam, or Q exam, is required in some fields for Ph.D. applicants. This exam helps the special committee determine your ability to pursue doctoral studies, continue in a program, and tailor an appropriate program of study.

How to Prepare for a Thesis Defense

You’ve spent years on your studies to acquire your advanced degree, and whether a master’s thesis or doctorate, you need to know how to prepare for a thesis defense. Treat this as more of a siege than a defense, and be prepared to outlast any foe, any siege engine, any army at your gates.

You have already built up a great thesis, with instruction from professors, and maybe even the help of a great thesis writing service , and you are finally ready for your defense. What does that phase of your academic career look like?

In this article, we will give you the tools and tips to make it through. We will start with a preparation section, focusing on various aspects of how to study and what to study, then talk about the lead-up to the big day: preparing materials and handling anxiety. We’ll also touch on what to do on the day and how a thesis defense will, or could, go. At the end of it all, you will have a clear idea of how to approach the preparation for, and the defense of, your thesis.

Know your thesis.

We put this first knowing that it is the most important element of your entire presentation. The crux of your defense hinges on this. You must know your thesis, backwards and forwards. There must be nothing about it that you have forgotten. However miniscule the detail, and however insubstantial to your thesis that detail ultimately is, you must nevertheless know it.

When it comes time to question you, after presentation of your work, questions you cannot answer will strike you down. Knowledge is your shield.

Know the Big Picture: What Are You Trying to Prove?

While you will already be intimately familiar with your research, readings, and revisions of your opus, you should still allot yourself time prior to your defense in which to know crucial elements of your thesis front to back. This is your primary concern.

What are you trying to prove? This is your number one concern, and being able to state this clearly, and back up your efforts with sources and arguments, is the main point of your thesis defense.

So, start with the big picture. Know your main points and the crux of your arguments. You have one, main thrust with this thesis, and you have one, primary tentpole holding it up. No doubt you have more evidence than one primary source, but inevitably one will have more weight and potency than the others. Start there and work your way out.

Don’t memorize words to say, but memorize the web of arguments you have woven together to support your work. Your research was about X, and you have Y as a result, and now you share that and defend your assertions.

You can’t memorize the whole thesis – it will be large – but you can memorize a few, important points that support your main argument, and give credibility to your assertions. Again, you aren’t memorizing a speech to give, but you should know some of your more crucial statistics and datapoints so you can reference them easily.

Know Your Secondary Sources

It’s not just enough to know what your own thesis says, but you must be knowledgeable about its foundations. Your thesis is built on sources and materials that you have cited and referenced throughout. These deserve your attention as well.

If you are being questioned and, without a beat, you can cite chapter and verse on the proofs for your claims, this gives your own arguments depth and clarity. A successful thesis will add to the knowledge base of your field, but it must be built on the knowledge that came before. Knowing your secondary sources demonstrates your knowledge, shows how your thesis connects to that knowledge, and solidifies your arguments through the foundational assertions of prior experts.

Sun Tzu Was Right

“Know your enemy,” wrote the philosopher and military commander Sun Tzu, “as you know yourself, and you will have victory in many battles.”

Your thesis makes a claim, adds to the body of knowledge in your field, and does so with evidence, research – not to mention panache – and is given its gravitas by the myriad of sources and proofs that you have to offer. Great, but don’t forget about those who disagree.

In most fields – certainly all the ones worth studying – anybody who makes a claim will have that claim challenged.

This is, perhaps, the most important step to preparing your defense: know why your detractors will say your thesis is wrong. If you can “steel man” – the opposite of “straw man” – their arguments, and phrase counter-arguments to your own statements – as well as anybody who holds those ideas would – then you have already, essentially, anticipated many, if not all, of the questions the examining board will put to you.

With that knowledge, you will also know to prepare defenses, explanations, and counter-arguments to each of these perceived complaints. Make sure that your counter-arguments would satisfy the majority of reasonable, educated persons in your field – if not any potential naysayers themselves.

Of course, having the main points, secondary points, data, references, detractions, and answers to those detractions all at your mind’s immediate beck and call would be wonderful; but, if you can manage to memorize all of that reliably within your head, don’t count on nothing but pure, rote learning to bring up all of this information. We recommend you keep quick reference notes to help you.

When you’re asked a question, having quick access to well-kept notes will serve you well. Notes themselves are nice, but you also need to be able to access them quickly. Any paradigm that works for you will do, but here is a sample schema for you to consider:

Again, use any rubric you want, but pick a system and make sure it works for you. How do you know it works? By testing it.

A Baptism of Fire, and How to Avoid It

That term - “baptism of fire” – refers to being trained via a quick shove onto a battlefield. You might also think of mother and father bird shoving their younglings out of the nest, peeping encouragement at them to fly.

Don’t let this happen to you. Check your wings first.

Mock interviews are extremely useful for interview preparation. Arrange a mock thesis defense. Get professionals who know what they are doing to grill you on your thesis. A professional mock panel will simulate the time, let you run through your presentation, and put you through your paces by asking insightful, challenging questions; they might even ask questions you didn’t anticipate – in which case, lucky for you it was caught beforehand.

Or, not so lucky. Lucky is what happens to a soldier in a baptism of fire, but you’re not doing that. You’re preparing, training, and refining your methods to be bulletproof before anybody fires upon you at all.

A mock defense will simulate the real thing as close as possible, likely even giving you a taste of the nerves and letting you learn how to cope with anxiety. Plus, you can test your filing system for quick recall.

Before the Day - What to Get Ready

The most crucial elements to get ready are anything that you will directly need. That is to say that you should have access to your presentation itself, as well as your notes, and anything else that you’ll require for the defense. Everything else is secondary, and while it’s not a great idea to show up without combing your hair, at least you can still mount a defense with bedhead; you can’t defend your thesis without your critical notes.

With that said, definitely comb your hair. Presenting your thesis is about presenting yourself, as well, so put on some professional-casual clothes so you are comfortable and presentable.

Bring along anything else you need to be comfortable in the room, such as a water bottle or pencils and a notepad – anything you might want to help you succeed.

The exception: don’t overload so much that you are carrying multiple bags around with you.

On the Day - Mental and Anxiety Control

The very nature of the activity of thesis defense means that you will be spending your presentation and your day on the defensive. This is, inherently, a stressful position to take, but a strong aggravating factor is the stakes of the event. This is a momentous occasion. You are at the proverbial moment of truth where you will either advance to the next, major phase of your career, or you will be forced to reconcile yourself to returning and revising – another revision and exploration and another defense.

Naturally, it follows that stress management is going to be one of the most important aspects of your day.

Prevention is the Best Cure

Give yourself an on-the-day boost by planning your studying and preparation well in advance. This will enable you to take a break before the actual day. If the day before your thesis defense can be one spent in contemplation, meditation, or relaxation, you’ll have a much better mental state for the defense itself.

Also of utmost importance: sleep. Maintaining a decent sleep schedule can be nigh-impossible, let alone sporadically getting in the actual recommended hours of sleep that your doctor really wants you to get. Nevertheless, make an extra effort to get a lot of rest, ideally within a sleep schedule, so that you are bright-eyed come defense time.

Long-term Stress Management

The rise of app culture is seen by some as the fall of civilization – particularly those spiritual or personal aspects of life. Tech is really just a tool, however, and finding a good meditation app can give you the right tech-based buddy system to keep you in good mental health. Meditation can be a great stress-management technique, and trying out some basic techniques will help you to stay alert, focused, and calm on your big day.

Physical Health IS Mental Health

How are you eating? Do you get out to exercise?

These are things that can easily fall by the wayside while pursuing higher academics. There is a reason that there is a cliched stereotype of undernourished, sleepless academics: it’s hard to absorb, retain, and study knowledge at this demanding level while maintaining a good balance with the more physical aspects of your life. Nonetheless, good physical health is strongly linked with good mental health, and you should pursue both.

Remember Step One...

Preventing panic is often a case of focus being unable to override insecurity. You’ve already taken care of your knowledge base: know your thesis. With that, you can keep insecurity at bay. Now for focus. What is the first thing you have to do when you get in the room? You’ll have some opening remarks, but even before that, you’ll likely want to quickly introduce yourself and welcome and thank your thesis screening panel. Forget everything else. Stop worrying about it, because you just have to do that first thing.

Concentrate on the Next Thing

After that, keeping yourself from getting distracted by insecurity is a question of focusing on whatever you must do next. You’ve made it through your introduction: great. What’s next? Since you’ve composed a careful set of notes, and carefully arranged those notes on your desk, table, or podium – or computing device – you can glance down and look to “point two” to carry you forward. Focus on doing your best job on that point. Once it’s over, focus on point three. Keep on in this way, and you have exorcised the twin demons of distraction and insecurity.

Fix Mistakes with No Fanfare

What if you misspeak? Just go back over it and fix the error quickly. “I’m sorry, I meant to say that 33% of the population favors blue above other colors, not 30 %. ”

Once you’ve fixed the error, move on. Dwelling on it does nothing at best, and exacerbates your problems at worst.

What if your PowerPoint presentation gums up? What if your computer freezes? What if the projector won’t project?

Remember that everybody in the room deals with glitches and tech errors, just like you, and do your best.

Don’t hide it – it's not hidden – but just briefly acknowledge the problem, “It seems the computer has frozen. Pardon me,” and see if you can fix it. If you can’t, rely on your notes to keep going. If you have infographics or charts and data that you wanted to highlight, offer to show those elements to the thesis screening panel, or to describe the data they need.

You’re being judged based on your logic, reasoning, rationales, recommendations, findings, data, and the effectiveness of your thesis. Nobody’s going to dock points from your presentation if there was a power failure.

Plus, if you’ve followed our advice thus far, you have redundant note systems with you, and you’ll be fine.

How to Stay Calm, Generally

Keep your breath under control. This ties in with meditation, to some extent, but controlled breath will keep your heart-rate down and your anxiety levels far more controlled than they would otherwise be. That is not to say that you won’t feel any anxiety, per se, just that – statistically speaking – you are far more likely to have far less anxiety.

Many people like to imagine a humorous image, particularly of their audience, to calm themselves down. This might work for you, but what this technique is getting at is a way to take your mind off of your anxieties and force it to focus on something else.

To do this, you needn’t go to the cliché of imagining anybody in underwear. Rather, just have a calming image or idea in your head that you can focus on. Pick something that makes you calm, or brings out a smile, and something that you can concentrate on to stop any panic moments and take away the snowball effect that happens whenever you dwell on something negative or that makes you anxious.

A Final Tip on Courtesy

Remember to be courteous, gracious, and polite. It really helps if you remember the names of the people on your thesis panel, so write those down if you have to.

What Does a Thesis Defense Look Like?

A thesis defense consists of a short presentation – about twenty or thirty minutes – on your thesis, followed by a discussion. That discussion is the actual defense of your thesis, as the thesis panel will be asking you questions and challenging you on your research, your conclusions, and your ideas.

The questioning period might take another twenty minutes or an hour, or even longer. There is no guaranteed time duration, so be prepared for a lengthy discussion and debate after your presentation.

Standard format would probably include the use of a PowerPoint-type accompaniment to your summation of your thesis. It is recommended that you provide more than just a lecture. If you want your panel to have anything like infographics, charts, or statistics, you need to provide it, either as part of a visual slideshow presentation, handout sheets, or both.

Common Types of Questions and How to Respond

Knowing what kind of thesis defense questions can come your way will be very advantageous for you because it will help you understand the kinds of answers you need to give.

Probing Questions

These feel your argument out a bit, just to test and see if you know your stuff, or if you’ve just memorized a very specific subset of data. These will seem almost unbearably easy if you have studied extensively while researching your thesis. If you haven’t, they will be painfully difficult. If you cannot answer these basic questions, you will seem as though you have crafted a thesis with blinders on, and it is unlikely you will survive further, deeper rounds of questioning.

Data Clarification

Maybe a chart didn’t go deep enough. Maybe somebody is curious if that statistic you gave was per capita or not. These clarification questions will just seek to clear up any misconceptions or blind spots in your presentation. This is why it’s important to know both your material and the secondary sources and citations you have made. If you understand all of this information thoroughly, you’ll be able to go deeper than any one chart and explain everything. This is also why it’s necessary to keep quick reference cards and tables of contents. If you blank on that per capita question, your index card won’t.

Opposing Viewpoint and Supporting Data

These questions will seek to challenge your ideas and stress your thesis by digging deep. They will present opposing views and find out whether or not you have considered alternate points of view. These are the most crucial questions to have excellent answers to, because these are the questions that directly challenge your work and are what you are “defending” your thesis from. We have already warned you to know your “enemy” as you know yourself. We stress this again here: have top-grade answers to cutting questions, or fail in your attempt.

Arm yourself with knowledge of your own thesis and an anticipation of what your detractors might, or do, say, and then practice, practice, practice.

At the end of a long period of vigorous study, get some rest, keep calm, and fire up a meditation app – or go for a walk.

In short: follow our advice, your common sense, and trust to your knowledge base and the research and readings you’ve done over the past years, and you’ll have a solid thesis defense.

Ideally you will dedicate several weeks to thesis preparation. Start about three to five weeks ahead of the defense and put aside some time every day to work on some aspect of your defense.

There isn’t really such a thing as too much prep. You could take too many notes and wind up with a very large, unwieldy reference binder, but even that is mitigated by your “table of contents.”

Err on the side of “too much” rather than “not enough.”

They’re probably just testing your knowledge of the material versus whether or not you just memorized a speech. Treat this as a probing question and answer in reference to your work. If this is an accident, don’t draw attention to it, and don’t get exasperated.

Say it’s outside of your field or area of study, but explain why you didn’t go there. So, if they ask about something peripheral, acknowledge that this isn’t part of what you’ve learned, why you are aware of it, and why you didn’t pursue further research into that area. Above all else, don’t fake knowledge you don’t have.

Numbers may vary, but three to five is fairly typical.

If you need a short break, to use the restroom, for instance, you can ask for one.

Have talking points and a firm knowledge of your facts and ideas, but don’t memorize set speeches. You can come off sounding robotic and impersonal. Worse, if you are asked a question and you find yourself getting lost, you might not remember details of your speech without the “ramp up” into any given part. Better to know the data, rather than the exact words.

In the event that you are not awarded your master or doctorate, you will most likely be given the chance to revise your thesis and try again. The committee will give you feedback, and you will revise accordingly.

Defending a PhD thesis like a boss!- an in-depth Guide

A thesis defense is a two-way process of PhD evaluation, a session during which experts ask questions related to the PhD dissertation for awarding a PhD degree.  

Defending a PhD thesis or dissertation is the last station of the PhD. The process of a doctorate is different! Even though prospective candidates don’t need to appear in the written examination, the thesis defense is a must!

It’s a process occurring behind closed doors or openly (sometimes!), under the supervision of subject experts or all, to award someone a prestigious doctor of philosophy degree .

PhD- the Philosophia doctor is a path full of complications and problems. Starting from admission to writing a thesis or viva, a candidate has to achieve every milestone to move forward towards a PhD. 

Broadly, a good graduation or master’s score, completion of the entrance exam, course work, PhD thesis, publication in a peer-reviewed journal, PhD presentation and well-completed PhD research are criteria to appear in the PhD defense. 

If a candidate fails to achieve any of the requirements given above, he or she can’t go-ahead. The PhD is all about research, passion, knowledge on one side whilst depression, lack of confidence, loneliness, frustration on the other side, nonetheless, it is a fun journey. 

Defending a PhD thesis at terminal can relax a doctoral student, although should not be taken for granted. 

The present piece of content is all about defending your PhD thesis, what is it and how to appear. I will also give you some tips that help you to successfully complete it. 

What is a thesis defense? 

The thesis defense is the terminal process of discussing ‘research’ to award the PhD degree. It is also referred to as PhD viva too; however, it is more a discussion session than a viva. 

A prospective student has to appear in the thesis defense along with the PhD thesis, a presentation and all other PhD related documentation. A student also has to carry all the materials and proofs that can be used to convenience a supervisor or expert to award the doctorate. 

The entire process is verbal. Two external subject experts, a guide, and a university VC conducts the process, note that other students can also appear in the PhD defense process too as a guest. 

Universities usually conduct close viva sessions to avoid ‘personal bullying’ during the thesis defense. 

During the process, questions are based on the thesis content, topic and subject of the prospective student’s research. The objective of conducting the defense session is to check the knowledge of a student, research aptitude and how he or he had done their research. 

It is a kind of evaluation process in which experts ask questions and point out gaps in research presented by a student.

What is the process of thesis defense? 

The process of PhD thesis defense starts with the general introduction of experts followed by the presentation session. A candidate has to present their thesis in a PowerPoint presentation, keynotes or google slides. 10 to 20 minutes are alloted to present the work in 15 to 25 slides. 

Soon after, experts ask questions related to research. Several of them are, 

What is the purpose of the present research? 

Why is the present topic chosen? 

What is the study population and why only those are selecting 

What are the outcomes of the present work? 

Why are the results or outcomes important? 

What are the societal benefits of the present work? 

How or what the present research contributes to the present knowledge? 

These are the common questions asked to know the quality, quantity and strength of the research one has conducted. 

The process is of two types; close thesis defense viva and open thesis defense viva. 

In the close thesis defense viva, only a subject expert and a PhD supervisor conduct the entire process of the thesis defense, no one is allowed to interfere in it. A student can defend their thesis confidently, on the positive side, however, sometimes the integrity of the session doesn’t maintain due to lack of a monitoring body. 

During the open thesis defense, anyone can appear in the viva session including students of master’s and graduation. Also, anyone can ask questions related to the topic. 

Open thesis defense sometimes makes things harder for the prospective student. Which type of viva or defense system you have to face will depend on the university. The process and type of thesis defense vary from country to country and university to university.  

2 to 5 examiners or external evaluators are invited for a PhD thesis defense session by the university. The criteria to select examiners for the same are; they should be not from the university, they are experts in a related subject, they are working outside the university. 

University allows a PhD supervisor to the defense session but they can’t participate in the discussion. Examiner examines the thesis and will randomly ask queries to the presenter. 

Who conducts a thesis defense? 

The thesis defense of master’s, M Phil or PhD is held by the university under the vigilance of the supervisor for the student appearing in the degree. 

A PhD supervisor invites two or three other experts of the subject to conduct the session, university presentative or vice-chancellor closely monitors the entire process, if present.

How long a thesis defense occurs? 

Per student 10 to 20 minutes are allotted to defend the thesis, however, it may vary, depending on how long a verbal questioning session happens. If it is interesting, it may take up to 2 hours. 

Sometimes, experts wind things in 30 minutes too; that depends on how neatly you have written your thesis and how beautifully you have given your presentation. Still, a few questions are common and asked in every thesis defense. 

Usually 20 minutes to 2 hours it takes to complete the thesis defense. 

What happens after the completion of the thesis defense? 

Defending a thesis isn’t like giving a written exam, which means the results are not like ‘pass’ or ‘fail’. The results are like how excellently one has done their doctorate- research, thesis and presentation. 

There are three possibilities after completing the PhD viva or thesis defense.

  • First, you have successfully completed it.
  • Second, you have failed in defending the thesis- revision required. 
  • Third, there are chances of improvement- minor revision required. 

When you present your thesis excellently, write the dissertation in a proper way and accurately- like a professional writer, proofread it correctly, complete all the objectives mentioned in the thesis, done research in a proper way, you probably come in the first case. 

A PhD degree will be awarded to you soon! 

If a thesis is not written in a good way, not all the objectives are completed, not published a paper, or fails to write a thesis completely or it is partially incomplete, you fail in defending the thesis, need revision.

In this case, you have to re-appear in the Ph.D. to complete the incomplete work. 

The third case is a bit different in which a student is advised to do some minor changes and improvements to make their own thesis much better. Usually, re-viva is not conducted in these cases. 

In the second case, in which a student fails to defend their thesis, re-viva and second round of thesis defense will be conducted after six months or a year. 

Note that awarding the thesis entirely depends on the external examiner.

Can anyone fail in the thesis defense? 

I can say yes! But not exactly because it is not an examination. A candidate has to appear again after sometimes to defend the thesis. Here are the cases in which we can say, a candidate failed thesis defense.

  • Improper, incorrect or partial thesis. 
  • Incomplete objectives. 
  • Incomplete research work. 
  • Lack of significant outcomes. 
  • No publication 
  • Fail to answer questions during the defense. 

Practically it is not considered as ‘fail’, re-viva or another round of thesis defense will be conducted. 

Tips to successfully defend the thesis for PhD: 

When you will be on your presentation, an examiner opens your thesis; thoughts of curiosity, nervousness, excitement and energy will flow around you, all at once. 

In these conditions, even if your preparation is excellent, a small mistake can ruin everything for you. 

You have to balance your positive as well as negative emotions at the same time. Here are some of the tips that definitely help you to defend your PhD thesis successfully. 

Defend the PhD thesis like a boss!

Fill yourself with positivity: 

You are very near to your goal, one step ahead of getting a degree- an utmost academic honor- the PhD. Surely, you need to balance everything, as I said, but to do so, you need to behave positively. 

Even if you know the gaps, problems, limitations and problems of your PhD thesis, yourself or your knowledge, you need to keep calm and behave like everything will be on your side. 

Only you know what is not perfect in your presentation or thesis, why to show it to others! Stay calm, focus, confident and positive like everything is perfect there. 

If you still feel so negative, imagine there are so many students in the world who have not even reached this level! You are here, on the last step of the PhD- feel proud of yourself.

Dress well, look well: 

To feel confident and positive, you have to look better. Wear a good, decent and formal dress, shave your beard or trim it, style your hair and polish your shoes. If you will look good, a positive and joyful atmosphere will be constructed in the room that will definitely help you. 

Don’t look tired, hopeless, restless, sleepless. 

Checklist all things: 

A couple of things are required during the PhD viva or thesis defense session. One is the presentation and the second is the thesis. In addition to this, don’t forget to take other documents related to your PhD like your plagiarism clearance certificate, your registration certificate and even your logbook. 

One can’t appear in the thesis defense session without a presentation and thesis. 

Other things are secondary in this case.

Prepare a good presentation: 

Before preparing a PhD presentation, you need to know in which format the university allows to present the thesis. However, the globally accepted format is Microsoft Powerpoint. 

Prepare a good, decent and professional PhD presentation of 10 to 15 slides and save it in multiple formats. Include only necessary information, I know it is very difficult to summarize the 4000 to 5000-word essay in 10 slides. 

Also, don’t forget to include material, methods, theory, results and outcome of the research, those things are very essential. Make your presentation correct with your PhD supervisor before appearing in the thesis defense. 

Make a backup: 

What if your presentation will not run on the day of defending the thesis? What if you lost your hardcopy of the thesis? that is not good, right! 

 You are a PhD student , above all, out of the box thinking ability and good analytic thinking, how can you forget to make backups? 

Backup your presentation in a flash drive, cloud storage and email. Prepare presentations in multiple formats.

Make the back of the thesis soft copy as well and store it on different devices that are easily accessible in case of emergency. In addition to this, also prepare a rough and unbounded draft of the thesis hardcopy as a backup. 

Control yourself: 

Students who have done their PhD sincerely are confident about their work but it is very important to control yourself during the thesis defense. In any harsh condition don’t lose your calm, don’t be aggressive.

Even if you know that the expert is wrong- that is a rare case scenario, respect their opinion and behave accordingly. See it is obvious, no one knows more than you and your guide about your topic.

Try to explain things to the panel member, if it can’t work, leave it, respect their opinion and take it as suggestions.

Answer to the point: 

Sometimes it happens that you explain things more than the experts’ needs. There are drawbacks of explaining things elaborately, they can trap you! 

As I said, pay attention to the question asked by the expert and try to answer what they want, not more than that. Explain things if they don’t understand. 

Do this if you don’t have an answer: 

Experts’ duties are to find gaps and problems in your research so that they can find knowledge actually required. So it is obvious, they confuse you, and ask questions which you don’t know. 

 Don’t get nervous or panic, if you don’t know the answers. Take a deep breath and admit that you don’t have the answer or don’t have an idea about that. To support this situation, you can even make an assumption that this might happen or this will be the reason or give a probability.

See thesis defense is not like a viva, questions will be intellectual and will challenge your knowledge and thinking every time for sure. You have to show them your ability to think differently, not what to already know!

Do this if something wrong happens! 

Days change, some are good, rest are bad. Things will be on your side someday, or not on other days. What you will do if something wrong happens whilst defending the thesis? 

Your presentation may not work, You lost your thesis, a big problem with the thesis- you didn’t know and problems in findings of results; these are some common problems I had seen in PhD viva. 

So you have to prepare for that, what to answer in those conditions. Anyone can make mistakes, simply apologize and request panel members that you will fix the problem soon. See, you have to act as per the situation, I can not tell you what you say in which conditions. 

For instance, if your presentation is not working or electricity is not there on the day of the presentation simply apologize for that, present it with the available utilities like chalk and blackboard.

The important thing is don’t panic, apologize first, and request to continue the presentation. For instance, if there is a major issue in the thesis, request the examiner that you will fix it, please allow you to continue the presentation. Try to complete your presentation, anyhow, who knows if they will impress. 

Be prepared for the most common questions: 

 The 10th tip is very useful and kind of a hack for you. There are several questions asked routinely during every thesis defense session. For instance,  what is the purpose of your research? How outcomes help society? Why have you chosen this topic? Why have you selected this technique for your work? What are the applications of your research? Like that. 

Be prepared for these questions, a few of them will be asked during the session. Then after the discussion will pick the heat, and your thinking ability will be tested.

Conclusion: 

Thesis or dissertation and PhD viva or thesis defense aren’t mandatory for all. Some professional degrees seek only internships for the award of PhD or doctorate. IN PhD in medicine or psychology, thesis or viva isn’t conducted, though the criteria are decided by the universities and hence vary greatly. 

Still, the thesis defense is a common practice performed to award PhD, M Phil or post-graduation degree.

Thesis Defense

This is a comprehensive guide, written specifically for SMD graduate students. The guide covers everything from before the defense, to the defense itself, to after the defense, providing information about the process, outlining requirements and offering useful tips. Before Defense

Get permission to start writing.

After completing all course, seminar, TA, publication and research requirements for your program of study, there are many things that must be done before a thesis defense can occur. Most importantly, you must meet with your advisory committee at least 6 months before you intend to defend your thesis. Your advisor and committee need to agree to your intentions to conclude experiments and data collection and begin writing. Once you get the go-ahead to start writing your thesis, you will need to decide on a date by which the defense should occur. You will also need to inform your program director and graduate program coordinator that you have started the process to defend.

Chair for Your Defense

A Chair is appointed for each PhD oral defense exam to monitor and promote fairness and rigor in the conduct of the defense. The Chair’s status as a nonmember of the advisor’s and student’s working group, program, or department enables distance from previously established judgments on the candidate’s work.

At least 4 months prior to your defense, your program director (with input from you and your advisor) will identify 3 individuals to serve as Chair for your defense. These individuals must be current full-time tenure-track faculty members at assistant professor rank or higher from outside the department offering the degree program or not a core member of the interdisciplinary degree program faculty.  

The suggested faculty are submitted to the Senior Associate Dean for Graduate Education and Postdoctoral Affairs via a Request for PhD Defense Chairperson Form along with an abstract of your work and your Program of Study form ( Biomedical or Health Sciences ), which your graduate program coordinators will prepare for you. The Senior Associate Dean reviews and selects the chair from the list of nominees.  Notice of the appointment is provided via email to the Chair, the student, the advisor, the program director and the graduate program coordinator. You must include the appointed Chair in planning for specific dates and times for your defense.

Selecting a Defense Date

If all goes as planned and you have made sufficient progress in your writing, schedule the actual defense date at least three months in advance to ensure that your advisor, all committee members and your appointed Chair are able to be present at your defense and that rooms are available on the date and time selected.

The academic calendar includes important dates for defense for each semester of the academic year. When you begin thinking about defending, check the academic calendar for deadlines and blackout dates (periods of time when defenses are not permitted). This will make identifying possible dates for defense a lot easier for you, your committee members and your Chair.

When all members of your committee and your Chair agree to a specific date and time for defense, inform your graduate program coordinator of the scheduled defense date as soon as you possibly can but no later than 8 weeks prior to your defense date. They will advise you of any program-specific requirements for the defense as well as prepare your Program Statement on Completion of PhD Requirements . This form requires your program director’s signature. Check with your graduate program coordinator to determine if you or they will obtain the signature for your form. Once approved and signed, this form along with others will be scanned and submitted via an online thesis registration system along with a pdf of your thesis and an Exit Interview Form and your CV/Resume.

International Students and Work Visas

It is strongly recommend that international students meet with an International Services Office rep as soon as permission to start writing is granted.  The ISO will provide information on visa options, documentation and timelines for applying for a visa for employment in the US.

Registration Categories for Defense

In your final semester (the semester in which you defend), you will register for a placeholder registration category rather than PhD Research. The categories are:

“Dissertation” non-credit bearing registration category that indicates the PhD student has completed all of the requirements for the degree except the dissertation and is in residence as a full-time student.  

  • You must be in residence full-time and planning for a defense in the upcoming semester.  If a defense does not occur, the Registrar will change your registration for the semester to reflect credit hours. 
  • You are eligible for student health insurance, loan deferments, and University housing, but not eligible for financial aid in the form of student loans.  

"Continuation of Enrollment” non-credit bearing registration category that indicates the PhD student has completed all of the requirements for the degree except the dissertation and is not in residence as a full-time student. When registered for Continuation of Enrollment, your time status is less than half time.

  • Appropriate for the student who has left the University prior to completion for a job or personal reasons but has a defense planned during the upcoming semester.  
  • Requires permission of the advisor, the program director, and the Dean.
  • You are not eligible for student health insurance, loan deferments, University housing, or financial aid in the form of student loans.

The University of Rochester offers this manual to graduate students and it is meant to help you to bring your thesis up to the required standard of organization, appearance, and format for the University of Rochester. Before preparing the defense copy of your thesis, check the contents of the manual systematically. In so doing, you may avoid mistakes that can be time-consuming and costly to correct.  The manual does not deal with the art of scholarship. There are numerous guidebooks and style manuals available for dissertation writers. However, before beginning the writing of your dissertation, you should consult with your department regarding preferred styles.

SMD Guidelines for the Content of a PhD Thesis

The School of Medicine and Dentistry offers this manual to graduate students in the basic sciences , Epidemiology , Health Services Research and Policy , and Statistics programs.  These guides focus on how a thesis should be structured for writing and for the content that comprises a well-written thesis. They are meant to be a supplement to the general guidelines of the University of Rochester for preparation of a thesis (The Preparation of Doctoral Theses:  A Manual for Graduate Students).

Statistics students should consult their program director for thesis requirements specific to the discipline. In the event you need assistance in writing your thesis, a Life Sciences Writing Specialist is available to work with you.

Rooms for Your Defense

Two rooms must be reserved: the first for your oral presentation and the second for your closed exam. Most often, the oral presentation is held in an auditorium and the closed exam is held in a departmental conference room. Check with your graduate program coordinator to determine if you or she will schedule rooms for your thesis defense.

Registering Your Thesis for the Final Oral Exam

You, your graduate program coordinator, or both of you together, will create your record in the University of Rochester Graduate Studies PhD Completion website . This record will include your degree information, past degrees, important contact information, and attachments including the defense version of your thesis in pdf format, and other relevant documents. The version of your thesis submitted to your online record is considered the registration copy. “Registering” simply means that you have presented a thesis, which you intend to defend, to the Dean of your School and to the University Dean that governs all doctoral candidates.

When the PhD Completion record is finalized (submitted) by your graduate program coordinator, your advisor and committee members will receive emails with links to access your record and to approve your thesis to progress to defense. Well before the online record is submitted, you must provide copies of the thesis identical to the registration copy to all members of your committee, as well as to your appointed Chair. Please consult with them for their preferred format. Some will accept a pdf and others will request a hard copy. Each of these individuals must have possession of your thesis for a minimum of two weeks before they are asked to sign off on the readiness of the work for defense. There may be deadlines for registering your thesis specific to your graduate program. Consult with your graduate program coordinator to ascertain those deadlines and follow them carefully. Please plan the completion of your degree by following your program’s deadlines in tandem with the academic calendar.

After all committee members have given approval, your program director, and the Registrar, will approve the thesis for registration using the same online system. Then, requests for review and approval will go to the Senior Associate Dean for Graduate Education and Postdoctoral Affairs and then to the office of the University Dean of Graduate Studies. When all of these officials have approved your committee and thesis for defense, it is considered registered. You will be able to track these approvals in your online record and will receive a confirmation email when approvals are complete.

Comments indicating required corrections to your thesis may be made by your advisor, committee members and the Deans along the way of the approval process. This annotated copy of the thesis, along with the original version, will be stored in the PhD Completion website for you to reference at the conclusion of your defense. You are not permitted to distribute updated versions prior to the defense, but be sure to incorporate any corrections in the final copy after the defense before uploading it to ProQuest®.

After the defense, if the committee required major revisions to be approved by one or more of its members, it is your responsibility to provide the corrected final version for their approval. They will be asked to submit written confirmation of that approval to University Graduate Studies. Failure to do so could delay conferral of your degree.

The Defense

It is important to walk into the defense knowing that your Committee really WANTS you to pass. Even if criticism is harsh, it is meant to be constructive. After all, the defense is not solely an opportunity for the Committee to compliment and congratulate you for the work you have done. It is also meant to challenge you and force you to consider tough questions.

Below you will find suggestions to help you get ready for the defense and information to give you a sense of what to expect:

Know the Rituals

What happens at a thesis defense? The best way to know what happens and the best way for you to prepare for your defense is to regularly attend the defenses of your colleagues—those internal and external to your field of expertise. You should be doing this throughout your graduate program, not just several weeks prior to your own defense.

Talk to people from your lab and in your department who already defended to find out what their defense was like. They know well what occurs in the closed exam and will likely want to share their experiences with you. You should also speak with your advisor to get a sense of his/her specific expectations of a defense. Don’t be afraid to ask!

Guidelines for Presentations

Use powerpoint.

PowerPoint is a professional approach to presenting the research that comprises the thesis. Your slides should encapsulate the study and focus on its most salient findings. In preparing, ask yourself these questions: “What do I want people to know about my thesis? What is the most important information that I can present and talk about?” Keep in mind the rules of chartsmanship and create a goal-oriented presentation that navigates attendees through a logical, point-by-point sequence of information that builds to the conclusion in a clear and focused direction.

  • Use text large enough to be readable (especially text from figures)
  • Ensure graphics and tables are clear
  • Don’t clutter your slides – if necessary have things come up on mouse clicks
  • Use spell check and also proof-read
  • Practice presentation with your lab and peers
  • Work on pronunciation, if required
  • Time presentation to ensure it is long enough but will also allow time for questions

Public Lecture

It is recommended that you do a trial run of your presentation a day or two before your defense in the auditorium or room that has been booked for your public lecture. This will allow you to familiarize yourself with the space and the equipment and to address any problems that arise during the trial run.

Plan your public lecture to allow a 50 minute talk with 10 minutes for questions. Present enough information so that the audience understands what you did, why you did it, what the implications are and what your suggestions are for future research.

The date/time/location of your defense and thesis topic are published on the school’s website to invite the larger community to attend. Departmental/program announcements are sent by your Graduate program coordinator to invite faculty and students. Friends and family are welcome to attend the public lecture. Faculty and students in the audience are given the opportunity to ask questions when committee members conclude their questions.

Friendly Advice: Just before your talk, chat with friends and mingle with the crowd. This may reduce your anxiety and nervousness.

Prior to the defense, plan to provide friends and family with a map and directions to visitor parking lots at the Medical Center or Saunders Building as well as the name, room number and directions to the auditorium or room booked for your defense. You may also want to ask another student or postdoc to assist your friends and family on the day of your defense to get to your public lecture and to gather somewhere while you are engaged in the closed exam.

Dress Professionally

Plan to dress professionally for the defense in the same way you would if presenting a paper at a conference or for a job interview. Suits, ties, dresses, and skirts are the norm. You will be standing for a long time on the day of your defense. You might want to keep this in mind when selecting the shoes you’ll wear for your defense.

Items to Bring to the Defense

Your presentation, a laser pointer, a copy of your thesis, a pen or pencil, a note pad and a bottle of water are essentials that you should bring to the public lecture. Other things you feel you need (e.g. Kleenex tissues, a lucky charm, etc.) are acceptable to bring with you as well.

The Closed Examination

You will be asked to leave the room while your Committee reviews your program of study, grades and decides whether the thesis is acceptable/not acceptable. The Committee decides whether members will ask sequential questions or whether each member will be allotted a specific time period for questioning.

The person to start the questioning is designated. You will be called back into the examining room and questioning will begin. After all questions have been addressed you will be asked to leave the room. Your Committee decides the outcome of the exam. You will be asked to return to the room to be informed of the outcome by the Chair of your exam committee.

Address Questions with Confidence

  • Listen to the entire question no matter how long it takes the faculty member or student to ask it. (Take notes if necessary.)
  • Pause and think about the question before answering.
  • Rephrase the question succinctly.
  • Answer the question to the best of your ability. If you do not know the answer, remain calm and say so in a professional way.
  • Remember no one will know the ins and outs of the thesis and your research materials as well as you. You are the foremost expert in the thesis topic and YOU really do know the science involved. Be positive!
  • Passed – successfully performed in the final oral examination and thesis was acceptable
  • Passed pending revisions to the thesis - successfully performed in the final oral examination and thesis will be acceptable with revisions which are approved by the advisor and sometimes by all members of the committee
  • Did not pass – often based upon performance in the final oral examination

After the Defense

You will receive annotated copies of your thesis from the members of your examination committee. The Chair will give you a packet of paperwork that includes:

  • Survey of the Earned Doctorate
  • Instructions for submission of the final thesis to ProQuest Dissertation Publishing
  • University of Rochester publishing agreement

The survey and UR publishing agreement are expected to be submitted to the University Dean by the date the final copy of the thesis is submitted to ProQuest. Students have 60 calendar days after the defense to complete all final requirements (revisions and upload to ProQuest) except when defenses are scheduled late in the semester and are subject to a deadline date that is shorter than 60 calendar days. Review the School’s academic calendar to be aware of deadline dates.

Exit Interview with the Dean

After your defense, and most likely after the final thesis is submitted to ProQuest, you will meet with the Dean for an exit interview. The meeting is intended as an opportunity for you to share your graduate school experiences with the Dean. This is a confidential meeting at which you may express your comments and discuss your concerns openly and honestly.

Department/Program Requirements prior to Termination of Student Status

Each program has its own process for students who are ending their student status. Be sure to check with your Graduate program coordinator to determine if there is additional paperwork that you’ll need to complete before your student status is terminated.

Publishing Your Final Thesis

The University of Rochester requires all doctoral candidates to deposit their theses for publication with ProQuest Dissertation Publishing and with the University libraries. Hard copies of the thesis are not required by the Dean’s Office or the Miner Library. Miner Library receives an electronic copy of the thesis from ProQuest but students must give the University their permission in writing to obtain it.

SMD graduate students are given 60 calendar days following the defense to submit the final copy of the thesis to ProQuest (except when a semester deadline does not allow 60 days for revisions).

Binding Your Final Thesis

Your department may want a bound copy of your thesis. Please check with your Graduate program coordinator to determine this and how the cost of binding is covered. You may also want a bound copy for yourself and others. Printed and bound color copies are available for purchase through ProQuest.

Date of Degree Completion

Degree requirements are met on the day your final thesis is submitted online to ProQuest.

Date of Degree Conferral

Conferral is the act of officially awarding a degree. The University of Rochester Board of Trustees confers degrees 5 times each year (August, October, December, February/March and May). Your conferral date will be determined by the date in which all degree requirements are completed and your final thesis is submitted to ProQuest. 

Commencement

The graduation ceremony for all University of Rochester doctoral candidates is held in May of each year. Only the students that have completed degree requirements including the submission of the final thesis to ProQuest are eligible to participate in the ceremony. Diplomas are distributed at Commencement or mailed to those that do not attend.

Proof of Completion

Many employers want “proof” of the degree earned. The Registrar can provide you with a letter indicating the date degree requirements were satisfied and the date the Board of Trustees will confer/conferred the degree. This is your best option for proof of degree immediately following graduate school.

You may also supply employers with your official transcript, which will be notated to include the date of degree conferral after conferral occurs. Your diploma can also be used as proof of the degree if you wish to copy it for an employer.

Some employers work with agencies that search for, screen and hire employees. They often submit forms to the academic institution that request enrollment information as well as degree verification. The Registrar will provide this information to an agency if your signature is provided with the forms indicating approval of the release of information.

Student Loans

If your student loans have been in deferment, you’ll need to notify your loan servicer of a completion date. Some loan servicers accept the completion date via your phone call while other servicers require that you submit a final loan deferment request form or letter from your Registrar before the repayment process can begin. Once a completion date is reported, your loan servicer will provide you with the information needed to start repayment or to continue deferred status, when applicable.

URMC Email Address

Student URMC email addresses will remain active for a short time after completion of the degree if the email address is hosted by the Miner Library. You can determine this by contacting the Miner Library email support or University IT . If you remain at the URMC after your defense, your email address will be transferred to a non-student server by the hiring department.

Non-URMC Email Address

You will be asked for a non-URMC email address when you submit your Exit Interview form. Correspondence from the Graduate Education and Postdoctoral Affairs Office will be directed to your non-URMC email address after your student status terminates. You will provide us with this email address on the Exit Interview Form.

Mailing Address

We ask that you provide a forwarding address so that we may mail Commencement and other correspondence to you. If you move again, please remember to update us. We want to keep in touch with you as you move ahead in your career. You will provide us with this address on the Exit Interview Form.

When you’re considering going to graduate school , or you’re about to defend your master’s thesis or PhD dissertation, chances are you’ve come across something called the thesis defense. The thesis defense is arguably one of the most fundamental steps to take in order to attain your graduate degree. Each university will have its own tailored expectations of the thesis defense. Yet, as a whole, the thesis defense is an opportunity for you to demonstrate in front of the committee the extensive research you’ve completed and the critical skills you’ve developed. Due to the critical nature of the various thesis defense questions/dissertation defense questions you’ll be asked, it’s best to be prepared and practice with other students. Try to even attend a thesis defense if you can. Overall, consider the thesis defense as a chance to showcase how you’ll best contribute to that academic field of research.

The thesis defense can range from anywhere between one to two hours, depending on your program. As a whole, you’ll present how you decided to choose this topic of research, what you discovered, and what those findings led you to realize. The committee – those overseeing and critiquing your thesis defense – will then ask you a series of thesis defense questions, as well as your written thesis because they’ll have already read it by then. In most cases, by the end of the questioning, the committee will either decide to approve your thesis or give you possible suggestions on how to reapproach your research.

How to best prepare for thesis defense questions

Much like preparing for the GRE or deciding what graduate program you wanted to apply to at the beginning of your graduate academic journey, familiarizing yourself with what to expect on the day of your thesis defense will only lighten the burden. Whether you’re a new master’s student or considering how to pursue a PhD , it’s important to know ahead of time how to best prepare for the thesis defense questions. If you’re getting ready to defend the master’s thesis or prepare for dissertation defense questions, see how you can answer the following thesis defense questions that might come your way on the day of the presentation.

1)  What does your research focus on?

Be ready to state right away the synopsis of your research. Although it may seem like a simple, straightforward question, the committee will be looking to see the terminology you use when describing the focus of your research.

2) What influenced you to research this topic?

The committee will be interested in knowing what influenced you to choose this specific topic of research. What motivated you? Shape your answer in a way that reflects the field of study your topic of interest is in and the issues that stood out to you.

3) What does your study encompass and cover?

Consider the parameters and scope of your research for your thesis defense. By defining and delineating the grounds that you covered with your research, you will inform the committee with a better understanding of how you decided to focus on your topic of interest.

4) what was the goal of your research.

This question will surface often whether you are defending your master’s thesis or preparing for the dissertation defense questions. It’s important to state what your thesis meant to achieve. Think of what the core focus of your thesis is, and state how that was the driving factor in your research.

5) What were your expectations going into this research?

Describe how your hypothesis was formed. Were there any things you had expected or any preconceived notions you had on this topic before you pursued this research? Where did these expectations come from? Did any previous research affect the way you approached your thesis defense as a whole?

6) what did you study that made you want to conduct this research project.

This is a great opportunity for you to show what literature you reviewed that led you to pursue the research. Be ready to discuss the literary review of what has already been contributed to this field of study. Reflect on the realizations made when confronting certain data and if it was feasible for you to conduct your research given the existing contributions. Examining this type of literary review will serve you well during the following thesis defense questions.

7)  Who is the targeted audience for this research?

It will be important to state who the targeted audience is, or what types of people will be affected by your research. Will these particular parties benefit from your research? How will they be affected? Consider not just the targeted audience, but also those in parallel groups who may be impacted by your findings.

8)  Why did you choose this title for your research? – thesis defense questions

The way you have named and titled your research will convey what you consider most important to the committee. What does your research try to explain in the given title? Is there a reason you chose the specific words in your title to convey a main point? The committee will want to see the intentionality of every word here and how it relates back to your research.

9)  How did you conduct your research questions and did your approach change?

While you were preparing and conducting your research, you might have found that your research questions were changing, depending on the sample you were studying. Oftentimes, if you are utilizing qualitative research methodology, the types of qualitative questions may change based on the answer. How did that change affect your research process? Did you have to shift your approach to the subject matter or reconsider focus groups?

10)  What impact does your research have on the existing literature?

Reflect on how your research made a contribution to the overall understanding of the field at hand. Think of why this was necessary and state that concisely. This will trickle into other thesis defense questions.

11)  Did you address any gaps in the field of your research?

Answering this thesis defense question will show how significant the findings of your research are. The goal of anyone’s research is to fill in the gaps of a field. Why did the pre-existing literature not suffice to address the focus of your research?

12)  What did you come across during your research?

It helps to have options of how you’ll convey this. Try to be prepared to summarize in detail, within a minute, what your findings were. Then see what you can paraphrase in 5 minutes. How about in 10 minutes? Doing so will assist you in identifying the most relevant piece of information based on how the committee asks you this thesis defense question.

13)  Did you find anything unexpected or surprising during your research process? – thesis defense questions

This would be a good opportunity for you to state how any surprises you came across helped you make certain decisions about your research. While you defend the master’s thesis and think of how you’ll prepare for the PhD dissertation defense questions, this is a “curveball” moment that demonstrates how you took charge of the challenge presented and continued your research despite what you had confronted.

14)  Under what parameters is your research valid?

Parameters were mentioned in question 3 above, but consider the specific conditions that would need to be in place for your findings to be valid. What are the elements that would have to be in place? Be ready to identify these during this thesis defense question.

15)  What were the challenges when conducting your research?

Were there any roadblocks you faced when gathering your data? Did you have to reconsider your research methodology at all? Identifying this will help the committee understand the direction and trajectory of your research.

16)  What were the challenges when working with your subject matter?

If you were interviewing people, did the focus groups not adhere to what you had asked them to do? Why? Walk the committee through your approach here.

17)  Why did you choose the research methodology that you chose?

While you’re defending the master’s thesis or answering dissertation defense questions, you’ll be asked specific questions about your research methodology. Was it qualitative? Quantitative? Why? What made you believe that this would be the most effective way to conduct your research?

18)  How did you form your hypothesis?

Tie back in your expectations for your research and consider what you thought the expected results would be for this thesis defense question. Were there any factors, both past or recent, that had helped shape your hypothesis?

19)  How did you gather the data to conduct your research and what sources did you use?

Recount what steps you took to decide how to access the data. Did certain libraries offer more resources? Was there any censorship that you came across that posed as a roadblock to collecting data?

20)  What are the practical implications of your research?

For both master’s and PhD students, this is always an important thesis defense question to keep in mind. In life outside of the academic institution, how will your research be of practical use to society? It’s a question that most graduate students ask about themselves before graduating, so it’s best to know how to answer this one about your research!

21)  How did you decide what samples to study in the research you found? What was your approach in using sample groups?

For example, if you used sample or focus groups, how did you go about selecting these groups? How did you get access to the data here? Don’t be hesitant to state the challenges you might have faced while doing so. As long as you frame it in a way that helps provide a more intricate portrait of the trajectory of your research, you’re on the right path.

22)  What are the independent and dependent variables in your research?

Use this thesis defense question to show how balanced your research methodology was by naming the different factors. How did the independent variables affect how the dependent variables changed?

23)  considering your contribution to this field of research, where else would require further research what more needs to be done in this field.

As a master’s student defending your master’s thesis or as a PhD candidate preparing for your dissertation defense questions, you are already a researcher. And as a researcher, you must present what else must be done in your field of research on top of what you’ve accomplished. What does your research further suggest?

24)  What did you ultimately gather from your research? What did you learn during and after the process? – thesis defense questions 

Aside from stating your findings as a whole, this would be a good moment to express if you found anything significant outside of your thesis that you hadn’t expected. Was there something you learned while gathering your data or writing up your text that you never thought you’d come across?

25)  After you complete your degree, what do you want to pursue professionally?

It’s not uncommon for master’s or PhD students to not know exactly what they want to do once they graduate. But for this last thesis defense question, it’s good to have a solid answer that will tie back into the research you’ve done. Do you have further research plans in this field? Do you want to pursue a profession that would enable this and strengthen the practical reality of it?

Defending your doctoral thesis: the PhD viva

Format for defending a doctoral thesis.

Every institution will have specific regulations for the thesis defence. In some countries or institutions, the convention is for thesis defences to be public events where you will give a lecture explaining your research, followed by a discussion with a panel of examiners (opponents). Both your examiners and the audience are able to ask questions.

In other countries, including the UK, the oral examination is usually conducted behind closed doors by at least two examiners, usually with at least one being from another institution (external examiner) and an expert in your topic of research. In the UK the supervisor does not participate in the viva, but may be allowed to observe. Sometimes someone from your own institution is appointed as an independent chair. Although it is now becoming more common for the candidate to have an opportunity to give a public lecture in UK institutions, this does not form part of the examination and may or may not be attended by the examiners.

Viva preparation

Take the preparation for your viva seriously and devote a substantial amount of time to it. The viva preparation checklist may be useful to help you prepare.

Your institution may offer courses on viva preparation and there may be opportunities to organise a practice viva. Take advantage of these opportunities: they can be extremely valuable experiences.

Things you may wish to take with you

  • your thesis – mildly annotated if you wish
  • a list of questions that you might be asked and your planned responses
  • any questions that you want to ask your examiners
  • additional notes which you have made during your revision
  • list of minor corrections that you have come across during your revision.

During the viva

Your study will have strengths and weaknesses: it is essential that you are prepared to discuss both. You could think of any weaknesses as an opportunity to demonstrate your skill at critical appraisal. Examiners will seek to find and discuss weaknesses in all theses. Do not interpret criticism as indication of a possible negative outcome.

Examiners have different personalities, styles and levels of experience. Sometimes a candidate may feel that a challenge is made in a confrontational way. Experienced, effective examiners will not be inappropriately confrontational, but some will. Do not take offence. A relaxed, thoughtful, and non-confrontational response from you will help re-balance the discussion. Having an independent chair can help maintain a constructive environment.

Useful tips for during your viva:

  • Ask for clarification of ambiguous questions or ask for the question to be repeated if necessary
  • Take time to think before answering
  • Be prepared to ask questions and enter into a dialogue with your examiners
  • Be prepared to discuss your research in context of other work done in your field
  • Be ready to admit if you don't know the answer to a question
  • Be prepared to express opinions of your own

You are not expected to have perfect recall of your thesis and everything that you have read and done. If you get flustered, or need to refer to notes your examiners will understand. They have been in your situation themselves!

After your viva

There are several possible outcomes   of a thesis defence. Most commonly, your examiners will recommend to your institution that you are awarded your degree subject to minor corrections, although in some instances they might ask for more substantial work.

Deadlines & Requirements

Students should register for HST.ThG during any term in which they are conducting research towards their thesis. Regardless of year in program students registered for HST.ThG in a regular term (fall or spring) must meet with their research advisor and complete the  Semi-Annual PhD Student Progress Review Form to receive credit.

Years 1 - 2

  • Students participating in lab rotations during year 1, may use the optional MEMP Rotation Registration Form , to formalize the arrangement and can earn academic credit by enrolling in HST.599. 
  • A first letter of intent ( LOI-1 ) proposing a general area of thesis research and research advisor is required by April 30th of the second year of registration.
  • A second letter of intent ( LOI-2 ) proposing a thesis committee membership and providing a more detailed description of the thesis research is required by April 30th of the third year of registration for approval by the HST-IMES Committee on Academic Programs (HICAP).

Year 4 

  • Beginning in year 4, (or after the LOI-2 is approved) the student must meet with their thesis committee at least once per semester.
  • Students must formally defend their proposal before the approved thesis committee, and submit their committee approved proposal to HICAP  by April 30 of the forth year of registration.
  • Meetings with the thesis committee must be held at least once per semester. 

HST has developed these policies to help keep students on track as they progress through their PhD program. Experience shows that students make more rapid progress towards graduation when they interact regularly with a faculty committee and complete their thesis proposal by the deadline.

The Thesis Committee: Roles and Responsibilities

Students perform doctoral thesis work under the guidance of a thesis committee consisting of at least three faculty members from Harvard and MIT (including a chair and a research advisor) who will help guide the research. Students are encouraged to form their thesis committee early in the course of the research and in any case by the end of the third year of registration. The HST IMES Committee on Academic Programs (HICAP) approves the composition of the thesis committee via the letter of intent and the thesis proposal (described below). 

Research Advisor

The research advisor is responsible for overseeing the student's thesis project. The research advisor is expected to:

  • oversee the research and mentor the student;
  • provide a supportive research environment, facilities, and financial support;
  • discuss expectations, progress, and milestones with the student and complete the  Semi-Annual PhD Student Progress Review Form each semester;
  • assist the student to prepare for the oral qualifying exam;
  • guide the student in selecting the other members of the thesis committee;
  • help the student prepare for, and attend, meetings of the full thesis committee, to be held at least once per semester;
  • help the student prepare for, and attend, the thesis defense;
  • evaluate the final thesis document.

The research advisor is chosen by the student and must be a faculty member of MIT* or Harvard University and needs no further approval.  HICAP may approve other individuals as research advisor on a student-by-student basis. Students are advised to request approval of non-faculty research advisors as soon as possible.  In order to avoid conflicts of interest, the research advisor may not also be the student's academic advisor. In the event that an academic advisor becomes the research advisor, a new academic advisor will be assigned.

The student and their research advisor must complete the Semi-Annual PhD Student Progress Review during each regular term in order to receive academic credit for research.  Download Semi Annual Review Form

*MIT Senior Research Staff are considered equivalent to faculty members for the purposes of research advising. No additional approval is required.

Thesis Committee Chair

Each HST PhD thesis committee is headed administratively by a chair, chosen by the student in consultation with the research advisor. The thesis committee chair is expected to:

  • provide advice and guidance concerning the thesis research; 
  • oversee meetings of the full thesis committee, to be held at least once per semester;
  • preside at the thesis defense; 
  • review and evaluate the final thesis document.

The thesis committee chair must be well acquainted with the academic policies and procedures of the institution granting the student's degree and be familiar with the student's area of research. The research advisor may not simultaneously serve as thesis committee chair.

For HST PhD students earning degrees through MIT, the thesis committee chair must be an MIT faculty member. A select group of HST program faculty without primary appointments at MIT have been pre-approved by HICAP to chair PhD theses awarded by HST at MIT in cases where the MIT research advisor is an MIT faculty member.**

HST PhD students earning their degree through Harvard follow thesis committee requirements set by the unit granting their degree - either the Biophysics Program or the School of Engineering and Applied Sciences (SEAS).

** List of non-MIT HST faculty approved to chair MIT thesis proposals when the research advisor is an MIT faculty member.

In addition to the research advisor and the thesis committee chair, the thesis committee must include one or more readers. Readers are expected to:

  • attend meetings of the full thesis committee, to be held at least once per semester;
  • attend the thesis defense; 

Faculty members with relevant expertise from outside of Harvard/MIT may serve as readers, but they may only be counted toward the required three if approved by HICAP.

The members of the thesis committee should have complementary expertise that collectively covers the areas needed to advise a student's thesis research. The committee should also be diverse, so that members are able to offer different perspectives on the student's research. When forming a thesis committee, it is helpful to consider the following questions: 

  • Do the individuals on the committee collectively have the appropriate expertise for the project?
  • Does the committee include at least one individual who can offer different perspectives on the student's research?  The committee should include at least one person who is not closely affiliated with the student's primary lab. Frequent collaborators are acceptable in this capacity if their work exhibits intellectual independence from the research advisor.
  • If the research has a near-term clinical application, does the committee include someone who can add a translational or clinical perspective?  
  • Does the committee conform to HST policies in terms of number, academic appointments, and affiliations of the committee members, research advisor, and thesis committee chair as described elsewhere on this page?

[Friendly advice: Although there is no maximum committee size, three or four is considered optimal. Committees of five members are possible, but more than five is unwieldy.]

Thesis Committee Meetings

Students must meet with their thesis committee at least once each semester beginning in the fourth year of registration. It is the student's responsibility to schedule these meetings; students who encounter difficulties in arranging regular committee meetings can contact Julie Greenberg at jgreenbe [at] mit.edu (jgreenbe[at]mit[dot]edu) .

The format of the thesis committee meeting is at the discretion of the thesis committee chair. In some cases, the following sequence may be helpful:

  • The thesis committee chair, research advisor, and readers meet briefly without the student in the room;
  • The thesis committee chair and readers meet briefly with the student, without the advisor in the room;
  • The student presents their research progress, answers questions, and seeks guidance from the members of the thesis committee;

Please note that thesis committee meetings provide an important opportunity for students to present their research and respond to questions. Therefore, it is in the student's best interest for the research advisor to refrain from defending the research in this setting.

Letters of Intent

Students must submit two letters of intent ( LOI-1 and LOI-2 ) with applicable signatures. 

In LOI-1, students identify a research advisor and a general area of thesis research, described in 100 words or less. It should include the area of expertise of the research advisor and indicate whether IRB approval (Institutional Review Board; for research involving human subjects) and/or IACUC approval (Institutional Animal Care and Use Committee; for research involving vertebrate animals) will be required and, if so, from which institutions. LOI-1 is due by April 30 of the second year of registration and and should be submitted to HICAP, c/o Traci Anderson in E25-518. 

In LOI-2, students provide a description of the thesis research, describing the Background and Significance of the research and making a preliminary statement of Specific Aims (up to 400 words total). In LOI-2, a student also proposes the membership of their thesis committee. In addition to the research advisor, the proposed thesis committee must include a chair and one or more readers, all selected to meet the specified criteria . LOI-2 is due by April 30th of the third year of registration and should be submitted to HICAP, c/o Traci Anderson in E25-518.

LOI-2 is reviewed by the HST-IMES Committee on Academic Programs (HICAP) to determine if the proposed committee meets the specified criteria and if the committee members collectively have the complementary expertise needed to advise the student in executing the proposed research. If HICAP requests any changes to the proposed committee, the student must submit a revised LOI-2 for HICAP review by September 30th of the fourth year of registration. HICAP must approve LOI-2 before the student can proceed to presenting and submitting their thesis proposal. Any changes to the thesis committee membership following HICAP approval of LOI-2 and prior to defense of the thesis proposal must be reported by submitting a revised LOI-2 form to HICAP, c/o tanderso [at] mit.edu (Traci Anderson) . After final HICAP approval of LOI-2, which confirms the thesis committee membership, the student may proceed to present their thesis proposal to the approved thesis committee, as described in the next section.

Students are strongly encouraged to identify tentative thesis committee members and begin meeting with them as early as possible to inform the direction of their research. Following submission of LOI-2, students are required to hold at least one thesis committee meeting per semester. Students must document these meetings via the Semi- Annual PhD Student Progress Review form in order to receive a grade reflecting satisfactory progress in HST.ThG.

Thesis Proposal and Proposal Presentation

For MEMP students receiving their degrees through MIT, successful completion of the Oral Qualifying Exam is a prerequisite for the thesis proposal presentation. For MEMP students receiving their degrees through Harvard, the oral qualifying exam satisfies the proposal presentation requirement.

Proposal Document

Each student must present a thesis proposal to a thesis committee that has been approved by HICAP via the LOI-2 and then submit a full proposal package to HICAP by April 30th of the fourth year of registration. The only exception is for students who substantially change their research focus after the fall term of their third year; in those cases the thesis proposal must be submitted within three semesters of joining a new lab. Students registering for thesis research (HST.THG) who have not met this deadline may be administratively assigned a grade of "U" (unsatisfactory) and receive an academic warning.

The written proposal should be no longer than 4500 words, excluding references. This is intended to help students develop their proposal-writing skills by gaining experience composing a practical proposal; the length is comparable to that required for proposals to the NIH R03 Small Research Grant Program. The proposal should clearly define the research problem, describe the proposed research plan, and defend the significance of the work. Preliminary results are not required. If the proposal consists of multiple aims, with the accomplishment of later aims based on the success of earlier ones, then the proposal should describe a contingency plan in case the early results are not as expected.

Proposal Presentation

The student must formally defend the thesis proposal before the full thesis committee that has been approved by HICAP.

Students should schedule the meeting and reserve a conference room and any audio visual equipment they may require for their presentation. To book a conference room in E25, please contact Joseph Stein ( jrstein [at] mit.edu (jrstein[at]mit[dot]edu) ).

Following the proposal presentation, students should make any requested modifications to the proposal for the committee members to review. Once the committee approves the proposal, the student should obtain the signatures of the committee members on the forms described below as part of the proposal submission package.

[Friendly advice: As a professional courtesy, be sure your committee members have a complete version of your thesis proposal at least one week in advance of the proposal presentation.]

Submission of Proposal Package

When the thesis committee has approved the proposal, the student submits the proposal package to HICAP, c/o Traci Anderson in E25-518, for final approval. HICAP may reject a thesis proposal if it has been defended before a committee that was not previously approved via the LOI-2.

The proposal package includes the following: 

  • the proposal document
  • a brief description of the project background and significance that explains why the work is important;
  • the specific aims of the proposal, including a contingency plan if needed; and
  • an indication of the methods to be used to accomplish the specific aims.
  • signed research advisor agreement form(s);
  • signed chair agreement form (which confirms a successful proposal defense);
  • signed reader agreement form(s).

Thesis Defense and Final Thesis Document

When the thesis is substantially complete and fully acceptable to the thesis committee, a public thesis defense is scheduled for the student to present his/her work to the thesis committee and other members of the community. The thesis defense is the last formal examination required for receipt of a doctoral degree. To be considered "public", a defense must be announced to the community at least five working days in advance. At the defense, the thesis committee determines if the research presented is sufficient for granting a doctoral degree. Following a satisfactory thesis defense, the student submits the final thesis document, approved by the research advisor, to Traci Anderson via email (see instructions below).

Before the Thesis Defense 

Committee Approves Student to Defend: The thesis committee, working with the student and reviewing thesis drafts, concludes that the doctoral work is complete. The student should discuss the structure of the defense (general guidelines below) with the thesis committee chair and the research advisor. 

Schedule the Defense: The student schedules a defense at a time when all members of the thesis committee will be physical present. Any exceptions must be approved in advance by the IMES/HST Academic Office.

Reserve Room: It is the student's responsibility to reserve a room and any necessary equipment. Please contact imes-reservation [at] mit.edu (subject: E25%20Room%20Reservation) (IMES Reservation) to  reserve rooms E25-140, E25-141, E25-119/121, E25-521. 

Final Draft: A complete draft of the thesis document is due to the thesis committee two weeks prior to the thesis defense to allow time for review.  The thesis should be written as a single cohesive document; it may include content from published papers (see libraries website on " Use of Previously Published Material in a Thesis ") but it may not be a simple compilation of previously published materials.

Publicize the Defense:   The IMES/HST Academic Office invites the community to attend the defense via email and a notice on the HST website. This requires that the student email a thesis abstract and supplemental information to  jrstein [at] mit.edu (Joseph Stein)  two weeks prior to the thesis defense. The following information should be included: Date and time, Location, (Zoom invitation with password, if offering a hybrid option), Thesis Title, Names of committee members, with academic and professional titles and institutional affiliations. The abstract is limited to 250 words for the poster, but students may optionally submit a second, longer abstract for the email announcement.

Thesis Defense Guidelines

Public Defense: The student should prepare a presentation of 45-60 minutes in length, to be followed by a public question and answer period of 15–30 minutes at discretion of the chair.

Committee Discussion:  Immediately following the public thesis presentation, the student meets privately with the thesis committee and any other faculty members present to explore additional questions at the discretion of the faculty. Then the thesis committee meets in executive session and determines whether the thesis defense was satisfactory. The committee may suggest additions or editorial changes to the thesis document at this point.

Chair Confirms Pass: After the defense, the thesis committee chair should inform Traci Anderson of the outcome via email to tanderso [at] mit.edu (tanderso[at]mit[dot]edu) .

The Department has had a chemistry PhD program for over 75 years and currently consists of over 25 research faculty, over 130 graduate students, and over 20 postdoctoral associates, research scientists and visiting scholars. Our graduates and postdocs have accepted positions at leading academic and industrial institutions and national laboratories.

State-of-the-art research labs, support facilities, and classrooms are located in the Chemistry Building and the Iowa Advanced Technology Laboratory. Extensive resources are readily accessible such as NMR, mass spectrometry, and X-ray analysis facilities, advanced computational resources, and complete machine, electronics, and glass shops. Degree requirements

Competency requirement.

Students must demonstrate basic competency in three chosen sub-disciplines of chemistry (analytical, biochemistry, inorganic, organic, physical). Competency is established in one of the following ways: Scoring at the 50th percentile level (national norm) on the proficiency exam, completing a one-semester review course with a grade of C or better (courses specified below), or completing a one-semester graduate-level/advanced course in that sub-discipline of chemistry with a grade of B or better. The competency requirement must be fulfilled before the beginning of the student's third semester in the graduate program.

Advanced course requirement

Beyond the competency requirements, a minimum of four additional courses that total at least 11 semester hours of graduate credit must be completed by the end of the fourth semester in residence. Grades of "B" or higher must be attained in all of these advanced courses. A grade of "B-" does not meet this requirement. Research, seminar, and pedagogy credits, courses that are doubly listed with sub-100 level numbers, courses taken with the S/U grade option, and courses with grades of "B-" or lower cannot be used to fulfill this requirement. The student is strongly encouraged to develop a detailed course plan that is reviewed and approved by the research advisor.

Comprehensive examination

The oral comprehensive examination is designed to assess the student's overall progress, knowledge of fundamental chemical principles and chosen area of specialization, and general competency for PhD research.

Before the beginning of the second semester after a permanent advisor has been appointed, a Graduate Academic Committee (GAC) of five faculty, at least four from Chemistry, will be formed for each student with a PhD degree objective. The committee will consist of the research advisor and four additional members invited by the student subject to the advisor’s approval.

The five member committee for the comprehensive examination is the same as the student's Graduate Academic Committee (GAC). Additional faculty members may be invited to attend the oral comprehensive examination and may be consulted in judging the presentation when it bears upon their areas of expertise.

To be eligible to take the Comprehensive Examination, the student must have a cumulative average of 3.00 or greater on appropriate graduate coursework at The University of Iowa. Appropriate graduate coursework includes review courses (Section II.B.), graded seminar presentations (Section III.F.), courses that satisfy the advanced course requirement (Section III.A.), and additional courses in chemistry or related disciplines that are judged appropriate by the student’s GAC. Graduate Chemistry Orientation (CHEM:5091, formerly 4:191), Ethics in Chemical Sciences (CHEM:5092, formerly 4;192), Research in Chemistry (CHEM:7999, formerly 4:290) and Research Seminar (CHEM:6990, formerly 4:291) shall be graded on an S/U basis and therefore are not included in the computation of the cumulative average.

The general comprehensive examination requirements set by the Graduate College must be completed by the end of the fourth semester in residence, unless written consent is received from the GAC and is approved by the Departmental Graduate Review Committee (DGRC). A student who fails to meet this requirement may be dropped from the PhD program. A student on academic probation is not eligible to take the comprehensive exam. Students entering with a Master's degree and those exempted from review courses are strongly encouraged to take the comprehensive examination during the second or third semester in residence.

The comprehensive examination is a two-part oral examination. The first part consists of an oral defense of the student's research problem and progress, and will be based upon a written Research Report submitted by the student. The second part consists of an oral defense of an original Research Proposal submitted by the student. The Research Report and the Research Proposal must be submitted (together) prior to five weeks before the last day of classes in the semester during which the examination is to be taken (or, for a spring semester examination, by the last Friday prior to Spring Break, whichever is earlier). It is strongly recommended that the examination be held at the earliest possible date in the semester to facilitate scheduling.

If the GAC approves both the Research Report and the Research Proposal, the oral examination may be scheduled. The student should then complete a Formal Plan of Study and a Request to the Graduate College for the PhD Comprehensive Examination. At the examination, the student will be asked to present a short (20 minute) summary of their research project. During or following this presentation, the committee will ask questions designed to probe the student's understanding of the research topic and important background material, the experimental methods and techniques which are important in the particular area, and the goals and significance of the research. The committee next will examine the candidate's understanding of areas related to the Research Proposal. The student will be asked to give a short (30 minute) presentation of the Research Proposal. The committee will ask questions designed to probe the quality and the student's understanding of the proposal. Typically, however, this discussion will evolve into a wide-ranging examination of the student's general competency in the chemical sciences.

Seminar requirements

Each student is expected to give a minimum of two acceptable seminars. One seminar must cover the student's research. The other may also deal with the student's research, or can be an extensive literature report. The student may register for the appropriate divisional seminar course and receive letter grade credit during those semesters in which the seminars are presented. The final PhD defense cannot be used to meet this requirement.

The research conference/three-month seminar

At least three months before the anticipated final defense, the PhD candidate must meet with their graduate academic committee. If scheduling permits, the research work can be reported as a research seminar during a regularly scheduled divisional seminar, with a subsequent committee meeting for questions and advice.

Final defense of the PhD dissertation

The Dean of the Graduate College will make a public announcement of a candidate’s final defense three weeks prior to the exam date. This final oral examination is open to the public. Dissertation copies must be made available to all members of the examining committee not later than two weeks before the examination date.

Advancing Wastewater-based Epidemiology: Engineered Solutions for Efficient Sampling and RNA Preservation of SARS-CoV-2

ABSTRACT Wastewater-based epidemiology (WBE) has long been used to monitor infectious disease trends in communities and has received special attention during the recent SARS-CoV-2 pandemic. Composite sampling using autosamplers has been shown to provide more robust representation of SARS-CoV-2 RNA levels in sewage compared to traditional grab samples. However, autosamplers have cost- and operation-related limitations for application for small-scale surveillance (e.g., at the neighborhood or university campus level), for which identifying specific infection hotspots is critical. Passive sampling may offer a cost-effective alternative in such settings but there is limited field data on the efficacy of this methodology. This thesis describes a study conducted on the Georgia Tech campus that aimed to monitor SARS-CoV-2 dynamics in the wastewater from four dormitories using various sampling methodologies. The results suggested that passive Moore swabs can be as suitable as, if not more than, autosamplers for

sewage surveillance due to their increased sensitivity when wastewater flow is low or intermittent. Furthermore, bioinformatics analysis of the resulting data offered early signals of the introduction of new viral variants and guided prevention strategies. Follow-up in-situ experiments showed that for the campus conditions studied here the optimal deployment time of Moore swabs is about 6 hours before they begin to saturate with fecal solids. Finally, the rapid degradation of SARSCoV- 2 RNA in sewage is a major limitation for the wide adoption of WBE, particularly in remote locations where traditional cold-chain logistics are challenging. To address this limitation, a novel cold-chain-free RNA preservation method using porous superabsorbent polymer (PSAP) beads was validated as an effective means to preserve SARS-CoV-2 RNA at room temperature. Collectively, these results and methodologies advance the toolbox of WBE and make it more widely accessible for public health monitoring.
