Planning your PhD research: A 3-year PhD timeline example

Planning out a PhD trajectory can be overwhelming. Example PhD timelines can make the task easier and inspire. The following PhD timeline example describes the process and milestones of completing a PhD within 3 years.

Every successful PhD project begins with a proper plan. Even if there is a high chance that not everything will work out as planned. Having a well-established timeline will keep your work on track.

What to include in a 3-year PhD timeline depends on the unique characteristics of a PhD project, specific university requirements, agreements with the supervisor/s and the PhD student’s career ambitions.

For instance, some PhD students write a monograph while others complete a PhD based on several journal publications. Both monographs and cumulative dissertations have advantages and disadvantages , and not all universities allow both formats. The thesis type influences the PhD timeline.

Furthermore, PhD students ideally engage in several different activities throughout a PhD trajectory, which link to their career objectives. Regardless of whether they want to pursue a career within or outside of academia. PhD students should create an all-round profile to increase their future chances in the labour market. Think, for example, of activities such as organising a seminar, engaging in public outreach or showcasing leadership in a small grant application.

The most common elements included in a 3-year PhD timeline are the following:

  • Data collection (fieldwork, experiments, etc.)
  • Data analysis
  • Writing of different chapters, or a plan for journal publication
  • Conferences
  • Additional activities

Many (starting) PhD students look for examples of how to plan a PhD in 3 years. Therefore, let’s look at an example scenario of a fictional PhD student. Let’s call her Maria.

Maria is doing a PhD in Social Sciences at a university where it is customary to write a cumulative dissertation, meaning a PhD thesis based on journal publications. Maria’s university regulations require her to write four articles as part of her PhD. In order to graduate, one article has to be published in an international peer-reviewed journal. The other three have to be submitted.

Furthermore, Maria’s cumulative dissertation needs an introduction and conclusion chapter which frame the four individual journal articles, which form the thesis chapters.

In order to complete her PhD programme, Maria also needs to complete coursework and earn 15 credits, or ECTS in her case.

Maria likes the idea of doing a postdoc after her graduation. However, she is aware that the academic job market is tough and therefore wants to keep her options open. She could, for instance, imagine to work for a community or non-profit organisation. Therefore, she wants to place emphasis on collaborating with a community organisation during her PhD.

Most PhD students start their first year with a rough idea, but not a well-worked out plan and timeline. Therefore, they usually begin with working on a more elaborate research proposal in the first months of their PhD. This is also the case for our example PhD student Maria.

  • Months 1-4: Maria works on a detailed research proposal, defines her research methodology and breaks down her thesis into concrete tasks.
  • Month 5 : Maria follows a short intensive course in academic writing to improve her writing skills.
  • Months 5-10: Maria works on her first journal paper, which is based on an extensive literature review of her research topic. At the end of Month 10, she submits the manuscript. At the same time, she follows a course connected to her research topic.
  • Months 11-12: Maria does her data collection.

Maria completed her first round of data collection according to plan, and starts the second year of her PhD with a lot of material. In her second year, she will focus on turning this data into two journal articles.

  • Months 1-2: Maria works on her data analysis.
  • Months 3-7: Maria works on her second journal paper.
  • Month 7: Maria attends her first conference, and presents the results of her literature-review paper.
  • Month 8: Maria received ‘major revisions’ on her first manuscript submission, and implements the changes in Month 8 before resubmitting her first journal paper for publication.
  • Month 9: Maria follows a course on research valorisation to learn strategies to increase the societal impact of her thesis.
  • Months 9-12: Maria works on her third journal paper. She uses the same data that she collected for the previous paper, which is why she is able to complete the third manuscript a bit faster than the previous one.

Time flies, and Maria finds herself in the last year of her PhD. There is still a lot of work to be done, but she sticks to the plan and does her best to complete her PhD.

  • Month 1: Maria starts a second round of data collection, this time in collaboration with a community organisation. Together, they develop and host several focus groups with Maria’s target audience.
  • Month 2: Maria starts to analyse the material of the focus group and develops the argumentation for her fourth journal paper.
  • Month 3: Maria presents the results of her second journal paper at an international conference. Furthermore, she helps out her supervisor with a grant application. They apply for funding to run a small project that is thematically connected to her PhD.
  • Months 4-9: Maria writes her fourth and final journal article that is required for her PhD.
  • Month 10: Maria writes her thesis introduction .
  • Month 11: Maria works on her thesis conclusion.
  • Month 12 : Maria works on the final edits and proof-reading of her thesis before submitting it.

Completing a PhD in 3 years is not an easy task. The example of our fictional PhD student Maria shows how packed her timeline is, and how little time there is for things to go wrong.

In fact, in real life, many PhD students spend four years full-time to complete a PhD based on four papers, instead of three. Some extend their studies even longer.

Furthermore, plan in some time for thesis editing, which is a legitimate practice and can bring your writing to the next level. Finding a reputable thesis editor can be challenging, so make sure you make an informed choice.

Finishing a PhD in 3 years is not impossible, but it surely is not easy. So be kind to yourself if things don’t work out entirely as planned, and make use of all the help you can get.

  • and the expected time needed for each task.

I also highly recommend factoring in failure time – give yourself a little bit of wiggle room for when things, invariably – go wrong. 

It’s crucial to remain realistic about the time you can commit daily or weekly while keeping long-term goals in mind.

Regular check-ins on your PhD timeline and supervisor will help you stay on track and allow you to adapt if necessary.

Adjustments may be needed as you progress through your PhD program, but having a timeline as a guide can make the journey less daunting and more achievable. 

Elements to include in a 3-year PhD timeline

The initial stage in this timeline typically involves coursework, often lasting one year, where the student engrosses themselves in advanced study in their chosen field.

Once the coursework is done (USA PhDs), they focus on proposing, conducting, and presenting their initial research.

By the end of the second year, most students should have a clear direction for their dissertation, a core component of the PhD process.

In this third and final year of the PhD timeline, the student focuses primarily on completing their dissertation, which involves collecting data, analyzing results, and organizing their research into a substantial, original, and cohesive document that contributes to contemporary knowledge in their field.

Regular reviews and modifications of the PhD timeline may also be necessary to accommodate various unpredictable circumstances, thus making this timeline both a guide and a flexible workplan.

It is a significant tool in successfully navigating the maze of becoming a PhD holder.

Here are some common steps involved in completing a PhD, which I’ll use to create the Gantt chart:

  • Orientation and Coursework (Semester 1) : Familiarization with the university, department, and coursework.
  • Coursework (Semester 2) : Continued coursework and possible teaching/research assistantships.
  • Select Advisor and Research Topic : Usually done towards the end of the first year or the beginning of the second year.
  • Preliminary Research : Initial research and literature review.
  • Complete Coursework (Semester 3) : Wrap up any remaining required courses.
  • Research Proposal : Develop a full research proposal including methodology.
  • Qualifying Exams : Exams to transition from a Ph.D. student to a Ph.D. candidate.
  • Begin Research : Start of actual research based on the approved proposal.
  • Conduct Research : Data collection, experiments, and analysis.
  • Intermediate Review : A review to assess the progress of the research.

How to Prepare a PhD Research Plan/Schedule?

PhD research plan is a structured schedule for completing different objectives and milestones during a given timeframe. Scholars are usually unaware of it. Let us find out how to prepare it. 

Between March 2021 to 2022, I read almost 15 different research proposals from students (for their projects) and only a single one, I found, with a comprehensive research plan for 3 years. Which is still not, kind of practical, probably copied from other students. 

Such entities are not known to over 90% of students, if some know that because their university asked for but unfortunately, this basic procedure lacks penetration among students. I don’t know the exact reason, but students lack a basic understanding of the research process. 

Meaning, that they don’t know or perhaps don’t complete their course work needly. PhD research requires many documents, SOPs and write-ups, before even starting it. For example, a rough research plan, research proposal, initial interview, competence screening, grant proposal and so on. 

However, the requirement varies among universities and thus knowledge regarding basic procedures often also varies among students. So I’m not blaming students but certainly, it is the fault of the university side, as well.  

When you come up with a research proposal with a research schedule or entire plant, certainly it will create a positive image and good reputation. So it is important. But how to prepare it? 

Hey, there I’m Dr Tushar, a PhD tutor and coach. In this article, we will understand how we can prepare a structured plan for the PhD research and how to execute it. 

So let’s get started.  

How to prepare a PhD research plan/schedule?

A PhD research plan or schedule can be prepared using the GANTT chart which includes a month, semester or year-wise planning of the entire PhD research work. 

First, enlist goals and objectives.

It’s not about your research objective enlisted in your proposal. I’m talking about the objectives of your PhD. Take a look at some of the objectives.

Note that these are all the objectives that should be completed during the PhD, but not limited to a specific subject. Note you have to show how you can complete or achieve each objective during the entire tenure of your work. 

And that is what the plan/schedule is all about. Next, explain the time duration. The time required to complete each goal, roughly. For example, a semester or a year to complete the course work or 4 to 8 months for completion of ethical approval. 

Now two things must be known to you, at this point in time. 

  • First, enlist the time required to complete each objective, as aforementioned. 
  • Second, what goals would you complete during each semester?

For instance, course work takes a semester to complete, but during the period a scholar can also craft their PhD research title, research proposal, ethical approval and grant proposals. 

Now it is also crucial to know that there is no time bound to complete goals, but it should be completed as you explained. Let’s say you can plant it for 3 years, 4 or even 5 years depending on the weightage of your work. 

In summary, the answer to the question of how to prepare a research plan is, 

  • Enlist your goals or objectives. 
  • Decide the time required to complete each goal.
  • Prepare a GANTT chart.  

Now you have prepared zero-date planning for your research but how to present it? The answer is a GANTT chart.

GANTT chart is a task manager and graphical presentation of how and how many tasks are completed or should be completed against a given time duration. Take a look at the image below.

How can you prepare one?

Open MS Excel (on Windows) or numbers (on Mac).

Enlist goals or objectives in a column. 

Enlist years (duration of PhD) in a row and bifurcate them into individual semesters. You can also prepare a month-wise plan, that’s totally up to you. In my opinion, semester-wise planning is good because research is a lengthy and time-consuming process. So monthly planning would not work. 

To make a chart more attractive and readable use colors, as I used. Now mark a ‘cell’ against a column and row showing the objective which you are going to complete in a semester. Take a look. 

After the end of this, your GANTT chart would look like this.

Planning and executing a research schedule are two different things. Oftentimes, students just prepare as per the requirements and then do work as per their convenience. Then they are stuck in one place and just work around the time. 

Plan things. Make your own GANTT chart, put it on your work table or stick it on a wall so that you can see it daily. Try to achieve each goal in time. Trust me things will work and you will complete your PhD before anyone else.

How the PhD Program Works

Program Overview

Completing your doctorate at Wharton requires 5 years of full-time study. The first 2 years in the program prepare you for admission to candidacy by taking courses, qualifying exams, and starting research projects. In the last few years, you are primarily conducting research full-time including writing and defending your doctoral dissertation.

Admission to candidacy.

You begin by taking courses required for your program of study. All programs requires a preliminary exam, which may be either oral or written.

Some programs may have further requirements, such as an additional exam or research paper. If you enter with a master’s degree or other transfer credit, you may satisfy the formal course requirements more quickly.

The Doctoral Dissertation

Upon successful completion of coursework and passing a preliminary examination, you are admitted to candidacy for the dissertation phase of your studies.

Your doctoral dissertation should contain original research that meets standards for published scholarship in your field. You are expected to be an expert in the topic you choose to research.

You are admitted to candidacy for the dissertation phase of your studies upon successful completion of coursework and passing a preliminary examination, but you can start thinking about and working on research of relevance at any time.

The dissertation process culminates with a “defense,” in which you defend the proposal orally before your dissertation committee.

While working on your dissertation, you interact extensively with Wharton faculty. Together with interested faculty, you create your own research community that includes your dissertation advisor and dissertation committee.

No matter where you are in your doctoral degree, you can start preparing to find a career or job after graduation. See our guided timeline below for some ideas about how to prepare. You can also use our checklists to help you prepare for your job search.

Build Your Network

  • Create a LinkedIn Profile and update it regularly.
  • If you don’t already have an advisor, find an advisor who fits your academic interests and personal mentoring style. Ask them to connect you with other faculty or staff members who might be of interest to you.
  • Evaluate your network using our Building and Evaluating Your Personal Network worksheet or on your own. Identify where your network is strong and make a plan to strengthen your network where it is weak.
  • Conduct informational interviews with relevant companies and/or positions.
  • If applicable, join professional organizations to expand your network.
  • If applicable, attend professional conferences to learn more about your field and to network.
  • Introduce yourself and get to know other graduate students and faculty in your department and around campus.
  • Attend networking events on campus and throughout your own personal network (such as your undergraduate alma mater, conferences, industry events, professional associations,etc).

Plan for Success

  • Create a long-term timeline that spans the entirety of your projected PhD degree (approximately 5-7 years depending on your department and personal schedule) that outlines your goals and deadlines for completing your degree. 
  • Familiarize yourself with your department’s cycle of regular deadlines, research & travel grants, and fellowships and grants.
  • Explore the Career Center website to learn about informational interviews, networking, and other pertinent information for job seekers.
  • Draft a Master List of your past experiences for fodder to make your Resume.
  • If you have a CV, convert it into a resume . Explore making several resumes for several types of positions.
  • Do some self-reflection and research to determine possible companies or organizations of interest or desirable career paths or positions. Ask yourself what kind of lifestyle, locations, and career you’d like to have. Determine what steps you can take now to work towards these goals.

Gain Experience and Transferable Skills

  • Research and apply for summer internships, jobs, and/or volunteer work to explore and hone your transferable skills.
  • Visit the Career Center to identify transferable skills and help with your application materials for summer opportunities.
  • Consider taking on a leadership role on campus through the Graduate Student Association , the Graduate Student Commons , or in a low-impact departmental or campus committee .
  • Consider participating in the Graduate Division’s Graduate Student Leadership Certificate Program .
  • If possible, do an internship, volunteer work, or hold a part-time job while you earn your degree to expand your network and skills.

Years Three-Four + :

  • Update your LinkedIn Profile regularly.
  • Continue to conduct informational interviews if necessary.
  • Continue to attend networking events on campus and throughout your own personal network (such as your undergraduate alma mater, conferences, industry events, professional associations,etc).
  • Adjust and update your long-term PhD completion timeline with appropriate goals and deadlines.
  • Make drafts of cover letters and resumes for job applications.
  • Ask trusted colleagues or mentors to critique your materials.
  • Submit your documents to this form for a critique of your application materials.
  • Monitor your desired job field to anticipate any developments and stay involved in contemporary conversations.
  • Look at the current job market for the industries or positions you’re interested in and assess what skills you possess and where you could improve your skills to make your future applications stronger.
  • When necessary, contact potential letter recommenders and/or references to meet with them, update them on your goals, and provide an updated resume.
  • Continue to self-reflect on the progress you’ve made and your future goals and desired lifestyle. Ask yourself there are any adjustments you want to make and how you can make those adjustments.
  • Visit the Career Center to identify transferable skills, get help writing your application materials for jobs and/or summer opportunities.

Final Year:

  • Update your LinkedIn profile regularly.
  • Continue to attend networking events on campus and throughout your own personal network (such as your undergraduate alma mater, conferences, industry events, professional associations, etc).
  • If applicable, attend job fairs and networking events geared towards job seekers meeting recruiters.
  • Create business cards to bring with you to job fairs or to give out when requested.
  • Alert your network to let them know you are on the job market.
  • Create a calendar with job application deadlines.
  • Apply to jobs.
  • Adjust and update your long-term PhD completion timeline with goals and deadlines.
  • Balance your time between job seeking activities and finishing your dissertation.
  • Visit the Career Center to practice interviewing.
  • Visit the Career Center to have a Career Coach critique your application materials.
  • Learn about negotiating a job offer .
  • Learn about job salaries in your field.
  • Bring your resume , business cards, research employers in advance, and attend job fairs on campus or elsewhere.
  • Contact recommendation letter writers and/or references to keep them appraised of your progress.
  • Research and apply for summer internships, jobs, and/or volunteer work to explore and hone your transferable skills if you haven’t secured a job or if your job doesn’t start until the fall.

Many students enrol in a Master or PhD postgraduate research degree, but few complete them. From 2010-2016 , 437,030 domestic and international students enrolled in postgraduate research programs in Australian public universities. Only 65,101 completed within the same six year period.

This discrepancy does not necessarily mean postgraduate research students “failed” their degree. Common reasons not completing a degree include changes of career goals, work-family conflicts, poor health or financial strain. Alternatively, some students remain enrolled in their degree for long periods without making significant progress.

Even so, the discrepancy is large enough for universities to be concerned. Nobody wants a student to suffer through years of hard work and frustration without achieving their goal.

What does research say about completion rates?

Research has identified several factors that make students more likely to persist with their degrees. These factors are related to the students themselves, their supervisor, and the university environment.

Psychological studies of postgraduate students find the more successful ones tend to perceive themselves as competent and be intrinsically motivated . These are students who enjoy their topic area, perceive their postgraduate studies as a valuable learning experience, and who strongly identify with being a career researcher. Students who are motivated by external factors (such as pursuing a prestigious academic role) are more likely to say they want to quit.

Scholarship holders are more likely to complete their degrees. This is likely because they are academically stronger than non-scholarship holders and are less vulnerable to financial strain. Students can support themselves financially through teaching, research assistant roles or other work, but this must be balanced carefully. Part-time students are less likely to complete their degrees.

Students’ field of study also affects completion rates. A higher proportion of students in sciences tend to complete their degrees than those in arts and humanities. This is likely because students working in the sciences are more often involved in laboratory-based work in teams, where there is greater social support and knowledge exchange. People studying humanities more often work on their research alone.

A positive student-supervisor working relationship is critical. A good supervisor should be an expert in the student’s subject of choice and a supportive mentor. They should help the student navigate through the frustrations and uncertainties of writing a thesis, and help students adjust to the world of academia.

Students are also more likely to finish their research degrees if they have strong connections with their peers . Such connections help students develop their professional identity as researchers, as well as providing opportunities for social support and informal learning .

The quality of associated coursework is also important. Ideally, postgraduate programs should provide students with a sound foundation of research skills and content knowledge, and facilitate ongoing communication with their faculty.

Involvement in formal and informal professional activities is also important. Students who complete tend to participate in departmental events, such as research seminars and professional development workshops. They also tend to participate in academic conferences. These events allow students to learn and expand their networks.

What students and their supervisors should do

First, given the importance of the student-supervisor relationship, universities can provide advice to students about locating and approaching a suitable supervisor. Specifically, students should consider the research area they wish to work in and locate a supervisor with relevant expertise. They should approach supervisors with an openness to negotiating a research topic.

Both students and supervisors should be upfront about their expectations about how the supervision will work. An excellent starting point for discussion is the Expectations in Supervision questionnaire. Students and supervisors sometimes have mismatched expectations about how often they should meet, the amount of feedback the supervisor should provide on drafts, and how much counselling and emotional support the supervisor should provide.

Supervisors have an important role in providing a realistic preview of academic life. One useful exercise is to review an academic competency model, such as the Vitae Researcher Development Framework , to discuss which skills academics need. In addition to knowledge of their topic area and research methods, academics increasingly need to be good at managing complex projects, working in multidisciplinary teams, and engaging with industry and media.

This discussion should enable supervisors and students to plan how students will develop their capabilities. Alternatively, it could prompt some students to opt out of a research degree if they think an academic role is not compatible with their goals.

What universities should do

As well as providing research training, universities can also increase the capabilities of students by helping them understand self-handicapping patterns. These include busyness, procrastination and disorganisation.

Students can be guided to replace these with more helpful actions such as scheduling dedicated writing time, reframing difficult tasks as learning opportunities, and developing a work routine. This could be done as part of a workshop or supervisory relationship.

Universities should also encourage greater connectedness between research students to build social support. This could be accomplished through team-based activities or face-to-face events.

For instance, some universities offer Three Minute Thesis , a research communication competition where students present their work in under 180 seconds.

Some universities organise Shut Up and Write sessions, which turns writing into a social experience and limits distractions. These activities can be complemented by encouraging students to become involved in supportive online communities and blogging .

Finally, universities should be dedicated to helping academics develop as supervisors through ongoing training and coaching. Departments could consider tracking the progression of students and ensuring supervisors have the time and skills to take on new students.

Completing a dissertation can be richly rewarding, but it’s the endpoint of a process that’s often long, frustrating and uncertain. Helping students achieve their research aspirations makes academic life a better experience for all involved.

PhD Completion Process

Congratulations!

As a PhD student, you have spent spend significant time at the University of Rochester taking courses, completing research in your field, completing milestones and are now ready to complete your degree.

The final requirement in earning a PhD degree is the completion and defense of the doctoral dissertation. Understanding the steps and associated deadlines in the dissertation submission and degree conferral process is necessary to establish a successful plan. Doctoral Qualifying Exam / Admission to Candidacy

All PhD programs must administer a qualifying examination as part of the PhD program requirements. The qualifying examination may be either written or oral or both, at the discretion of the department/program, and must be passed at least six months before the final examination may be taken.

The associate dean of a school certifies that a student has passed the qualifying examinations and is recommended for candidacy.

Planning for the Final Oral Exam / Dissertation Defense

At least six months before you plan to defend your dissertation, you should contact the graduate coordinator of your program for details regarding the submitting the defense. During the months leading up to the anticipated defense, your graduate coordinator will walk you through the process and explain any department specific nuances.

Pay careful attention to the five PhD degree cycle deadlines. In each degree cycle, there is a deadline for the last day to complete your degree requirements.  There are no exceptions to the deadlines. If a deadline is missed, your name cannot be approved by the Council on Graduate Education and presented to the Board of Trustees until the following degree date.

The oral exam/defense/dissertation is approved at multiple levels of the University. Starting with the program, oral exam/defense/dissertation committee, school graduate deans and the University Dean of Graduate Education. You will receive emails a few days before your defense confirming that the approvals for the defense have all been received.

PhD academic calendar

PhD students can reference their specific academic calendar in the drop-downs below.

To enable review by the Graduate Education Offices in the Schools and University Graduate Education, online dissertation committee and program director approvals must be completed the following number of working days before the defense:

  • SMD and SON: At least 10 working days before the defense
  • AS&E, Warner and Simon: At least 15 working days before the defense
  • ESM: At least 20 working days before the defense

A minimum of five working days must elapse between the approval of the candidate’s School Dean to advance the record to University Graduate Education and the day of the defense. This time has been included in the schools’ lead times listed above.

Defenses may be held during regular business hours on any University working day with the exceptions listed below. See calendar below for additional non-working days.

Monday, May 27:  The University is closed in observance of Memorial Day. This day cannot be counted as a working day.

Wednesday, June 19: The University is closed in observance of Juneteenth. This day cannot be counted as a working day.

Thursday, July 4: The University is closed in observance of Independence Day. This day cannot be counted as a working day.

Friday, August 23, 4 p.m.: Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for an August 2024 degree conferral.

Monday, August 26: Fall semester begins.

Saturday, August 31: August 2024 PhD date.

Wednesday, August 28, 4 p.m.: Last day for students who have completed defenses to submit final corrected dissertation for October 2024 degree to the ProQuest website without having to register for Fall 2024. AFTER THIS DATE, SUBMISSION OF DOCUMENTS FOR DEGREE COMPLETION REQUIRES REGISTRATION FOR THE FALL SEMESTER.

Monday, September 2: The University is closed in observance of Labor Day. This day cannot be counted as a working day

Thursday, September 26, 4 p.m.: Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for an October 2024 degree. NOTE: Students must be registered for the Fall 2024 Semester if submitting documents after August 28.

Friday, October 4: October 2024 PhD conferral date.

Monday, September 2:  The University is closed in observance of Labor Day. This day cannot be counted as a working day.

Wednesday, November 27 through Friday, November 29: The University is closed in observance of Thanksgiving. These three days cannot be counted as working days.

Monday, December 16 at 4 p.m.:  Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for a December degree. NOTE: Students must be registered for the Fall 2024 Semester if submitting final documents after August 28.

Friday, December 13: Last day for dissertation defense registration approval by University Dean of Graduate Education for defenses scheduled January 2, 2025.

Thursday, December 19 through Friday, December 31:  Due to recess and holidays, no dissertation registrations will be completed in the University Graduate Education office. No PhD defenses may be held during this time period.

December 31: December 2024 PhD conferral date.

The March 2025 PhD conferral date will be updated in late spring 2024.

Friday, April 26 , 4 p.m.: Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for a May 2024 degree.

After the final oral exam / defense

Submitting your final dissertation.

Approximately, 24 hours after oral exam, an email is sent that details out the next steps. Including uploading the final abstract and dissertation to ProQuest®, submitting a UR Research authorization form, and completing two required surveys.

The libraries at  University of Rochester, electronically store and publish the dissertations based on a students embargo restrictions.

Survey Completion

There are two required survey’s for completion of the PhD Process. The University of Rochester PhD Survey and the national Survey of Earned Doctorates. The links to completing these surveys will be included in the completion memo sent post-defense.

We use a service called ProQuest to administer the electronic final thesis/dissertation (ETD) submission. ProQuest provides services that enable strategic acquisition, management and discovery of information collections. Once you have made any necessary revisions and the thesis/dissertation is final, you are ready to begin the submission process.

PhD Completion Confirmation

Once you have completed the steps above, you will receive an email the confirms that all of the requirements have been completed and will include a PhD Completion memo.

We offer both an electronic diploma and a paper copy diploma to students after their graduation date. Information on ordering replacement diplomas is located on the registrar’s webpage .

Commencement

The University holds one doctoral commencement ceremony each year in May. Eligibility to walk in the May ceremony includes students that graduated between August of the previous year through August of the current year. As an example, the May 2023 ceremony is for students who graduated August 2022, October 2022, December 2022, February 2023, May 2023 and August 2023. Doctoral students are only eligible to walk once.

You will receive information about the ceremony that your are eligible to walk in during the Spring semester.

  • PhD Overview and Timeline

Given here are School-wide graduate degree policies and guidance.  Program-specific degree options, requirements, and model programs can be found on the "Graduate Programs" pages under each of the subject areas listed in  Academics .

General Ph.D. Requirements

  • 10 semester-long graduate courses, including at least 8 disciplinary.   At least 5 of the 10 should be graduate-level SEAS "technical" courses (or FAS graduate-level technical courses taught by SEAS faculty), not including seminar/reading/project courses.  Undergraduate-level courses cannot be used.  For details on course requirements, see the school's overall PhD course requirements  and the individual program pages linked therein.
  • Program Plan (i.e., the set of courses to be used towards the degree) approval by the  Committee on Higher Degrees  (CHD).
  • Minimum full-time academic residency of two years .
  • Serve as a Teaching Fellow (TF) in one semester of the second year.
  • Oral Qualifying Examination Preparation in the major field is evaluated in an oral examination by a qualifying committee. The examination has the dual purpose of verifying the adequacy of the student's preparation for undertaking research in a chosen field and of assessing the student's ability to synthesize knowledge already acquired. For details on arranging your Qualifying Exam, see the exam policies and the individual program pages linked therein.
  • Committee Meetings : PhD students' research committees meet according to the guidelines in each area's "Committee Meetings" listing.  For details see the "G3+ Committee Meetings" section of the Policies of the CHD  and the individual program pages linked therein.
  • Final Oral Examination (Defense) This public examination devoted to the field of the dissertation is conducted by the student's research committee. It includes, but is not restricted to, a defense of the dissertation itself.  For details of arranging your final oral exam see the  Ph.D. Timeline  page.
  • Dissertation Upon successful completion of the qualifying examination, a committee chaired by the research supervisor is constituted to oversee the dissertation research. The dissertation must, in the judgment of the research committee, meet the standards of significant and original research.

Optional additions to the Ph.D. program

Harvard PhD students may choose to pursue these additional aspects:

  • a Secondary Field (which is similar to a "minor" subject area).  SEAS offers PhD Secondary Field programs in  Data Science and in  Computational Science and Engineering .   GSAS  lists  secondary fields offered by other programs.
  • a Master of Science (S.M.) degree conferred  en route to the Ph.D in one of several of SEAS's subject areas.  For details see here .
  • a Teaching Certificate awarded by the Derek Bok Center for Teaching and Learning .

SEAS PhD students may apply to participate in the  Health Sciences and Technology graduate program  with Harvard Medical School and MIT.  Please check with the HST program for details on eligibility (e.g., only students in their G1 year may apply) and the application process.

First Year (G1)

  • Notify your financial aid officers of any external funding. Contact:  Erin Bishop  in SEAS Finance and  Emily Fingerle  in GSAS Financial Aid.
  • Make note of the course registration deadline. (previously known as "Study Card Day"). See the GSAS Policies  Academic Calendar.
  • Register for courses before the deadline  (previously known as "Study Card Day")
  • Mid-January: Deadline for submitting materials to be reviewed at the January CHD meetings .
  • Late-January: Course registration deadline (previously known as "Study Card Day").
  • G1s: Your  Prospective Program Plan  due to the Office of Academic Programs on this day.
  • Transfer of up to 3 classes of coursework may be allowed. Include the  Application for Credit for Work Done Elsewhere  with your Prospective Program Plan. 
  • April 1:   Research Advisor Selection Form /Research Assistant appointment form due to Office of Academic Programs.
  • Note: The April CHD meeting is the last CHD meeting in all academic year. CHD does not meet over the summer. Remember to plan ahead.

Second year (G2)

Throughout year.

  • G2’s are required to serve as a Teaching Fellow in either the Fall or Spring semester.
  • Make sure you complete the  TF form once you line up a TF position! 
  • G2’s are required to take their qualifying exam in either the Fall or Spring terms.
  • Email quals_defenses@seas  to book a room. If you book your own room (e.g., external to SEAS) you must still email  quals_defenses@seas  well in advance in order for your required documentation to be ready, else your exam cannot take place.
  • Upon completion of the exam, students are required to submit the  Designation of Research Committee  form to OAP.
  • If you plan to request a delay of the qualifying exam, complete a  Request to Delay Qual Exam  form. Note that delays until September (i.e. start of G3 year) are typically approved as a matter of course
  • Mid-September: Course Registration Deadline (previously known as "Study Card Day"). See the GSAS Policies  Academic Calendar.
  • Mid-October :  Final Program Plan  due to OAP; see the  CHD page  for dates.
  • Late-January : Course Registration Deadline (previously known as "Study Card Day"). See the GSAS Policies  Academic Calendar.
  • May 1 : Advising Agreement form due to OAP.
  • May:   Commencement and diploma options for Masters en Route / Continuing Master’s students - You can apply to receive your S.M. degree en route to your PhD after you have completed eight of your core courses (this requirement may depend on area). You will receive your S.M. diploma, and participate in the Commencement if you choose to. However since you will be considered a non-terminal degree recipient, you will not be able to join the ceremony in Sander's Theater. 

Third year (G3+) and beyond

  • Meet with your Research Committee at least annually, as indicated by your area's expectations.
  • Send any changes to your Final Program Plan to the CHD for review. See the  CHD page  for submission dates.   Note that   the Committee on Higher Degrees expects students not to petition for a revised Program Plan less than a year prior to the final defense  in case additional coursework is required, so it's important to keep your plan up to date with your courses as actually taken.
  • Inform OAP of any  changes to your research committee . 
  • PhD candidates can review their eligibility to receive an SM en route . 
  • Early-September:  Course Registration Deadline (previously known as "Study Card Day"). See the GSAS Policies  Academic Calendar.
  • Late-January: Course Registration Deadline (previously known as "Study Card Day"). See the GSAS Policies  Academic Calendar

Completing your degree

Degree application.

  • Complete the  degree application  via my.harvard by the Registrar's deadline.
  • If you schedule your own room (e.g., external to SEAS) you must still email quals_defenses@seas   well in advance in order for your required documentation to be ready,  else your defense cannot take place.   You must also get agreement from your full committee to hold your defense in a non-SEAS room.

Dissertation Submission and Commencement

  • The best way to share your dissertation with others is by linking to the DASH copy. Tips for Completing Your PhD Thesis on Time

Completing a PhD course is undoubtedly one of the most fulfilling pursuits for academics. Recently, however, a new term arose: ABD (“All but Dissertation”). ABD refers to students who have completed their coursework and passed the exam, but have yet to complete and defend their theses. Indeed, ABD students are more common than previously thought. The PhD Completion Project revealed that the ten-year cumulative completion rate for PhD students ranges from 64% (engineering) to 49% (humanities). While not all students advance to the doctoral writing stage before dropping out, a significant portion do, based on these numbers. Leaving graduate school without finishing your thesis has psychological and occupational consequences. Completing your thesis on time is, therefore, essential for career advancement and personal growth.

Overcoming a Time Crunch

Being pressed for time will likely happen, especially if you are holding down a part-time job during your doctoral studies. The pressure to finish is greatest during the last year of your PhD and this is usually the time when conflicts and tensions arise. There are tips that can help you finish your PhD on time , even when you’re pressed for it.

  • Prepare an action plan for your last year. This will help you optimize the time that you have left and avoid feeling overwhelmed by all the things that you have to do.
  • Clarify your priorities. Ask yourself what you intend to finish first and stick to it. It may be helpful to break down your priorities into smaller and simpler tasks.
  • “The truth can wait.” That is, it is vital to start writing your doctoral thesis once you have your data, even if more can be done.
  • Know all the rules and regulations of the university. Prepare a list of all the documents and papers that you will need before you need them. This will help you avoid pitfalls in your last year.
  • Familiarize yourself with software. Producing scientific documents entails the use of specific programs, such as LaTeX. While the program may not be as easy to understand as other editors, there are marked advantages such as ease in publication and faster manipulation of images.
  • Pay attention to your career. While you may think that this is not the best time to think about your career , it is. Your career should follow suit after your doctoral studies, and focusing on what lies ahead will help you frame the current situation.

Key Tasks for Finishing Your PhD on Time

Finishing your PhD thesis on time is not as daunting as it sounds. Although many students will be pressed for time, completing your study is possible with a little ingenuity from your part.

  • First, ensure that you meet all the PhD requirements set by your institution. Never presume anything without double-checking with your institution and your supervisor. This can save you from a lot of wasted time and stress.
  • Keep a good perspective. Your peers are unlikely to read your thesis , but they are likely to read journals and articles resulting from it.
  • Contrary to what most people say, your introduction should be written last. Breaking your thesis into defined stages is important for success. On that same note, your conclusion also should be written last.
  • Get familiar with project management applications, such as Trello.
  • Buy your own laser printer. This will save you from having to rush elsewhere to have your drafts printed. It will save you time and money as well.
  • Get feedback on the entire thesis—from start to finish. Getting feedback for individual chapters is fine, but you should aim to get feedback on the entire work.
  • “Begin with the end in mind.” Make sure you know when your doctoral studies are supposed to end, and when your work will be considered as done.

Planning and Writing Your Thesis

Breaking down your tasks into manageable blocks is one way to ensure that you actually finish the entire thing. There are plenty of techniques to help you along the way, such as the 25-minute Pomodoro for academic writing. Undoubtedly, writing your thesis is at least as hard as performing the actual study, but it is never impossible. With the right tools at your disposal and a positive mindset, you can finish your PhD on time. Below is a checklist of things that you need to do to get to graduation day.

  • Draft your proposal and research design
  • Acquire IRB consent
  • Pilot study
  • Gather data and information for your study
  • Analyze your data
  • Write, write, and write some more . Ideally, aim to write for a minimum of 30 minutes a day
  • Defend your thesis

Completing your PhD paper on time is definitely possible. Knowing the tips and tricks of the trade can help you to get on your way towards a life in academia.

Introduction

After years of research and with completion in sight, the final year of the PhD often represents the most challenging time of a student's career, in which the ultimate reward is the PhD honor itself. A large investment in time, energy, and motivation is needed, with many tasks to be completed; concluding experiments must be carried out, results interpreted, and a research story mapped out in preparation for writing the final thesis. All the while, administrative obligations need attention (e.g., university credits and mandatory documents), papers may need to be published, students mentored, and due consideration paid to planning for the next career move. Without some form of strategic action plan and the employment of project management skills, students run the risk of becoming overwhelmed and run down or of not meeting their final deadlines. Personal time management and stress resilience are competences that can be developed and honed during this final period of the PhD.

Here, we present ten simple rules on how to deal with time issues and conflict situations when facing the last year of a PhD in science. The rules focus on defining research goals in advance and designing a plan of action. Moreover, we discuss the importance of managing relationships with supervisors and colleagues, as well as early career planning.

Rule 1: Plan Your Last Year in Advance

Preparing a plan of action for the final year of your PhD is vital. Ideally, devised and agreed upon with your supervisor, a plan will help to optimize the time left and reduce feelings of being overwhelmed. Individuals plan in different ways; some prefer to work towards their goals in a stepwise linear fashion, whilst others are more comfortable flitting from task to task until all the jobs are done. There is no definitive way to plan, so find out what works best for you. You may decide to map out a timeline, or perhaps a mind-map is your preferred planning style. Whichever method you use, it's important that you adhere to your plan whilst allowing for some flexibility (but not distraction or procrastination).

Your time frame will vary according to the organization of your graduate school, your supervisor or advisory committee, and even your graduation date, but one year before submission of your doctoral thesis is the time when you should decide on how best to invest the last months of your research and associated activities. Having a plan of action will help to avoid time wasting, e.g., being distracted by superfluous experiments that might be interesting but are not necessary. Furthermore, from a psychological point of view, referring to a concrete plan can make you feel more secure and in control. Ideally, the supervisor and PhD student should both agree on the overall plan (with provision for the unexpected, e.g., technical issues), with intermittent reviews every few weeks to check that progress is being made. Your supervisor should also be able to advise you on the organization and writing of your thesis—for example, its structure—and the number and length of chapters to include.

Rule 2: Make Your Priorities Clear

Select the activities you want to include in your plan. What are your priorities? They are likely to include experiments that will give the thesis a conclusion or that may be necessary to publish a final paper. Mandatory administrative tasks will also need attention, and allowing time to prepare for your next career move will give you the best chance of a seamless and successful transition post-PhD. As a final year PhD candidate, you are likely to have acquired high-level competencies comparable to those of a junior postdoctoral researcher, in which case your supervisor may offer you responsibility for new projects or graduate students. Saying no to him/her can be difficult for various reasons, e.g., fear of potentially creating conflict in your relationship or causing a negative reaction or of perhaps losing the opportunity to be included in future research activities and publications. It can also be difficult to let go of a topic or project to which you are wedded or to miss out on the opportunity to help train the next generation of scientists. In such situations, referring back to your plan (Rule 1), previously agreed upon with your supervisor, should help to remind you both of your priorities and deadlines, making negotiation easier. However, should any conflict of opinion arise between you, bear in mind that finding a mutually agreeable solution is the best way forward. You can take advice from a mentor or refer to the many publications that provide approaches and tactics for effective negotiation. If the relationship between you and your supervisor is more complicated and cannot be resolved by a discussion, you may need to turn to your graduate school, your academic committee, or other senior managers in your institution, who can act to mediate the situation.

Rule 3: “The Truth Can Wait”

A research project is never really finished, so do not try to do everything before submitting. In fact, the perfect doctoral thesis does not exist; there are students with good research projects and many publications and others with more difficult and testing challenges who are still waiting for their first paper. If the project is ambitious, it might take several years to reach the final goal, and thus the thesis might only be a small part of the whole story. If the project is going well, it will open up new research questions and future directions, some of which will be beyond the scope of a PhD. At some point, you need to decide that what you have is enough for a PhD and start writing (a strategy we heard described at a dissertation-writing seminar in Cambridge as “the truth can wait”; it helps to write this on a post-it note and stick it on your computer!). Starting to write the thesis is not easy when there is a sense that more could be done to accumulate more data and a fuller story; a common mistake is to go back to the lab instead of getting started with the results chapters of the thesis. To postpone writing will cause delays and not necessarily improve the thesis whilst increasing the prospect of unfulfilled and extended deadlines. Thus, once the experiments that you have agreed on have been completed, it is really important to start writing with the data in hand.

Rule 4: Enlist Support

Finalizing experiments and writing the thesis (and even papers), as well as considering your next career transition, can be stressful and even isolating. It is a contrast to the relatively more relaxed earlier years of the PhD experience, and the writing process does not come naturally to everyone. The prospect of facing these stresses alone can make the experience even harder to bear, so it is advisable to communicate with and find support in those you trust and respect. Relying on such people during this period can help to ease the strain and enable you to achieve your final aims so that you arrive at your PhD graduation with your sanity still intact! Talking about personal feelings with selected colleagues usually helps you to realize that you are not alone, whatever difficulties and challenges you might be experiencing with your research project, supervisor, or coworkers. Sharing uncertainties and talking through issues can be constructive, helping you to understand the strategies other people use to cope with similar problems. As well as colleagues, it can also help to talk to friends and family, even though they won't be as au fait with the highly particular challenges you are experiencing. You can share your feelings and anxieties with them, but they can also act as a welcome distraction to help you to relax and take a break from thinking about the stresses of your PhD.

Support and advice can also come in the shape of courses, books, blogs, mentoring, etc. There is much published on the subject of how to write a thesis [1] . Furthermore, graduate schools, such as those in which we are based, usually offer courses to help PhD candidates improve their personal and professional skills. For example, the University of Zurich organizes courses on, amongst others, time and self-management skills, managing conflict, and academic writing and publishing [2] . The Graduate School of Arts and Sciences at Harvard lists workshops and resources offered across the university on topics such as scientific writing, time management, and overcoming procrastination. In addition to relying on your supervisor, postdoctoral researchers in your group or department (or even friendly collaborators) may agree to read chapters of your thesis and comment on aspects such as content, logical flow of ideas, and the overall structure. At a later stage, you may want to engage someone to check your grammar, spelling, and reference style (this can be especially important if you are not writing in your native language). If your PhD defense includes a presentation, try to practice beforehand, preferably in front of some of your peers, and include asking for feedback and possible questions that may come up. This should make you feel more prepared and confident.

Rule 5: Get Familiar with the Software

Being familiar with software for both writing and making figures will facilitate the creation of your thesis. One of the most effective tools with which to produce a scientific document is LaTeX ( www.latex-project.org ). This software, freely available, is not as immediately understandable as other text editors, but the advantages are greater: it offers a professional layout similar to published books, it makes the insertion and management of figures easier as their position in the file does not depend on text editing, and it allows for easy typesetting of mathematical equations and referencing of articles from a bibliography database. Moreover, the text file size does not increase while inserting figures, making its handling easier. An example LaTeX package for typesetting dissertations is “classicthesis”, written by André Miede ( http://www.miede.de/index.php?page=classicthesis ). Although advantageous, LaTeX can also present disadvantages. In contrast to commonly used text editors (e.g., Microsoft Word), it does not make it easy to track changes in the manuscript, often a preferred way for supervisors to correct theses in an electronic form. Therefore, we suggest you discuss the preferred software with your supervisor when you agree upon your plan (Rule 1).

A professional design software can also speed up the creation of figures for your thesis, which can be further used for your final PhD presentation, so check whether your institution provides an introductory course to some of these software packages. Taking a one-day class can save you a lot of time later. Organize your bibliography; many excellent reference managers exist that allow you to catalogue and annotate the papers you have read and integrate them seamlessly with text processing software (e.g., Endnote or the freely available Mendeley and Readcube). Choose one that fits your needs and check whether your university provides institutional licenses (and be disciplined about adding each paper you read to it!).

Consider using version control software. This allows you to keep a log of all the changes you make to a file or directory and makes it easy to recover a previous version if something goes wrong or to merge two versions of a file. This is often used in software projects to produce, document, and improve computer code, but it can also be useful when working on a long text document, such as a dissertation. Commonly used free version control systems include git/GitHub [git, github], Subversion [svn], and Bazaar [bzr] (see Table 1 ).

Most important of all is to have a backup strategy. A hard-drive crash at the wrong moment can set your work back by weeks and jeopardize the timely completion of your thesis. Institutions or departments will often have a backup system employees can make use of. This may require you to install a specific piece of software on your computer that backs up your data at regular intervals or to save your file on an institute server. Contact the information technology (IT) department at your institute to learn about your options.

Rule 6: Know Your University's Procedures and Regulations

During the course of your PhD, you will have been acquiring project management skills, such as organizing your time and resources, reviewing progress, and meeting deadlines. In order to avoid last-minute surprises, you can capitalize on and develop these skills during the final year of your PhD. Prepare a list of all the documents and certificates that you will need, even before you start writing; it will be of critical importance to include this information in your plan and priorities (Rules 1 and 2). Having a good working relationship with someone who can help you to navigate a bureaucratic process will usually be an asset and will ensure you are familiar and aware of all the rules. Considering the amount of documents and certificates that are needed for handing in a thesis, it is advantageous to introduce yourself to the institute secretary or human resources manager, as well as any other staff who can help you to deal with the administrative side of the process. Don't rely on previous documents, which may have been revised since the last person in your group graduated. Be aware of all the necessary institutional administrative requirements (e.g., credit points, research seminar attendance, publications, etc.), as well as the faculty criteria, including deadlines (as well the date of the graduation ceremony), thesis copy numbers and format, font size, binding, and supporting documents. Take time to go through the list of documents and start collecting them in a folder. Get the formatting right early on, e.g., by using a dedicated template file. With your documents in order, you are bound to feel you have the situation more under control, which can help to reduce stress and enable you to focus more closely on writing your thesis.

Rule 7: Exploit Synergies

You are doing a lot of work for your thesis, so use it to your advantage. The literature review in your introduction can also be used to write and publish a future review article, an idea that might also be welcomed by your supervisor. If you are intending to write a grant proposal for a postdoctoral fellowship on a similar research topic, you can use some of the thesis introduction and future directions as a basis for your research plan. If you are keen to gain teaching experience, you could propose a short course on your specialty area. For instance, at Harvard Medical School, senior graduate students and postdoctoral researchers can be involved in lecturing on short, specialized “nanocourses” [3] . You may also be able to deliver a specialized lecture within a class your supervisor is teaching or, ideally after you have completed the PhD, teach at a workshop or summer school.

Take advantage of opportunities to deliver a talk as an invited speaker at a conference or at another institute, for example, if you are visiting a research group or investigating possible postdoctoral options. This will give you the chance to practice your defense presentation in front of an unfamiliar audience and, at the same time, allow a potential future supervisor and colleagues to gain a more complete picture of your research interests, skills, and personality.

Rule 8: Pay Attention to Your Career

It is not always easy to decide on which career path to follow after your PhD. You have been trained primarily towards an academic research career, and so many PhD graduates choose to continue on with a postdoctoral position as their first career destination. This is perfectly acceptable, and many industrial employers look upon early-career postdoctorals favorably. However, it is worth bearing in mind that permanent tenured positions are hard to secure nowadays and competition is tough, with less than 5% of those who complete a PhD ultimately realizing an academic career [4] . For those who are determined to have an academic career, a strategic research plan is crucial; for those who are unsure, a viable alternative career plan is equally important.

Knowledge of your professional and personal skills and capabilities, personality, values, and interests, as well as how to map them onto the job market and sell them to employers, will help you to make effective career decisions and a successful transition to your next job. In addition, factors such as your personal situation and priorities, mobility, and preferred work–life balance all need to be taken into consideration before entering the complicated world of the job market. Be ready to make compromises either in your work or personal life, depending on your priorities. Take advantage of courses and professional career guidance and coaching while you are still at university, as they are usually offered free of charge. Along with books and websites, face-to-face career support can help raise your self-awareness and knowledge of the job market so you can start to decide which types of career may best suit you. Blackford's book and blog [4] contain useful material on career planning for bioscientists, with concrete examples of different career paths within and outside of academia, and further information and resources. In addition, the Science Careers portal offers an online tool [5] to create an individual development plan and explore your career options based on your skills, interests, and values. Also, take advantage of dedicated career job boards associated with specialist websites, such as that of the International Society for Computational Biology [6] .

How soon should you start job seeking? Finding a job whilst writing up your thesis can seem like an attractive prospect, but it's important to consider that applying for jobs can easily take up as much time as working a full-time job. Then, if you do secure a job, the time left for writing up your thesis, completing experiments, and wrapping up your lab work will be seriously limited. It is exceedingly hard to write a doctoral thesis in the evenings after work or on the weekends, so in case you are offered a job before you have finished the PhD, consider seriously how this might affect your work and life. On the other hand, finishing a PhD when scholarship money has been seriously reduced (or has run out) comes with a different set of challenges. Many students need to tap into their savings (if indeed they have any), drastically reduce their spending, and move out of their accommodation. Losing employment at the university can also affect health insurance, social security, and visa status. Finishing up a PhD under these additional constraints and pressures can be extremely challenging, both logistically and psychologically. To ensure that you can concentrate all your time on (and get paid for) finishing your PhD, start planning ahead one year earlier. Be aware of your university's regulations, talk to your supervisor about the funding situation (is it possible for you stay on as a postdoctoral researcher for a short period?), and know what you need to do in order to finish on time (Rule 1).

Rule 9: Network

Unofficial statistics tell us that only around 30% of jobs are advertised, so to enhance your employment prospects you would be well advised to network in order to access the hidden job market. During the final year of your PhD, and even earlier, you can build up and extend your network so that your chances of finding the job of your choice are optimized. If you are looking for research positions, your supervisor might have contacts or know about positions available in academia or industry. Reviewing your personal network further will reveal it consists of colleagues, friends, and family. You may also have a wider network of collaborators (research and industry), people associated with your research whom you have met during the course of your PhD, as well as many others. Conferences, seminars, informal gatherings, and learned societies are great places to meet the academic community face to face or to broaden your horizons. Job fairs are held at universities and sometimes during conferences, where experts from industry look for potential employees as well as sometimes provide informal advice on your curriculum vitae (CV). Try to exploit these opportunities if they come your way.

A relatively recent, and highly democratic, addition to the networking system is social media, through which it is possible to meet people online from all over the world and from all walks of life. More and more professors, researchers, students, policy makers, science “celebrities”, science communicators, industry personnel, and professionals have a presence on social media, using it primarily for work-related purposes. Researchgate, LinkedIn, and Twitter are probably the most useful platforms for networking with academia, business, and the wider world, respectively. Your online profile should be fully completed and reflect your expertise, achievements, and personality. Used to greatest effect, social media will give you access to information, jobs, and influential people—its importance to you as a PhD student cannot be overestimated.

Rule 10: Leave on Good Terms

Wrap up the work in your lab, especially if you are leaving the institute. This includes any required training of new personnel in the methods and techniques you use, having lab notes in order, making it easy for other lab members to access your protocols and data, organizing and labelling your reagents and equipment, and documenting your computer code. If someone is taking over an unfinished project from you, take time to hand it over. Discuss with your supervisor to find a solution for who will do the final experiments, how to proceed with the writing of journal manuscripts, and what should be the order of authorship. If you have started a project that you want to take with you to your new lab, discuss with your supervisor how to handle possible future publications and how to agree on material transfer. If your work resulted in patents or patentable innovations, make sure you are clear about regulations concerning patents and intellectual property, both at your PhD institution and at the institution to which you are moving. Stay in touch with your former colleagues and cultivate the contacts you have made in graduate school; they are sure to be useful during the course of your career.

Doctoral completion programs are specifically designed for students who have some doctoral credit, but didn’t meet the requirements to graduate. Let’s dive into what these programs offer to see if a doctoral completion program is right for you.

What is a Doctoral Completion Program?

A doctoral completion program is not a specific doctorate program in and of itself. In reality, doctoral completion programs are another name for transfer-friendly doctoral programs that offer dedicated support for transfer students.

Doctoral completion programs are designed to meet the needs of students who are restarting their doctoral studies in an effort to accelerate their completion of their degree. These programs are unique because many universities will not accept transfer credit at the doctoral level. 

Let’s look at two of the common pathways you can take when completing your doctoral program. 

Doctoral Completion Programs: Choosing The Right Pathway

There are two stages of doctoral study—the required coursework and the dissertation. If you’re looking to complete your doctorate degree, you need to consider which requirements you still need to meet. 

If you still need to complete coursework and pass your comprehensive exam: Look for a university that accepts significant transfer credit and can help you complete your remaining coursework. Make sure you understand:

  • How many credits will transfer: Most doctorate programs require around 58 credit hours total to graduate. Some transfer-friendly universities, like Franklin University, will accept up to 24 credits, which is about 40% of the total required.
  • Will your credits qualify to be transferred: Doctoral programs typically require credits to be applied directly to the degree, meaning the previous course has to be substantially similar to the required course at the new university. If your previous studies don’t align, you may need to retake coursework. You may also need to meet specific passing grade requirements or time requirements (often credits more than 7-10 years old won’t transfer).

If you’ve reached ABD (all but dissertation) status: Consider a dissertation completion pathway. Some universities will allow you to restart your doctorate degree at the dissertation stage. However, before committing, make sure you understand:

  • You may still need to take coursework: Many advertised ABD programs will still require you to take prerequisites, focus area courses or research and writing foundations courses to complete your dissertation at their university.
  • Admission requirements may be extensive: Universities that offer dissertation-only completion pathways usually require more than just graduate transcripts. Expect to submit additional documentation, including previous doctoral candidacy, portfolio or work samples, resume, letters of reference or other support materials.
  • You need to feel confident about your dissertation topic: Since you will start directly at the dissertation stage, you will need to declare a topic. Some of these programs will require a learning agreement contract to establish milestones for completing your dissertation.

How doctoral completion programs work.

Applying to a doctoral program to complete your degree is often very similar to regular doctoral admissions. Here are the steps you will need to take: 

  • Research transfer-friendly universities that accept doctorate transfer credit. Based on your previous educational experience, find the best-fit university that will also accept the most transfer credit.
  • Apply to the university’s doctoral program. Submit an application and all support materials. Most applications can be submitted online and may or may not require an application fee. 
  • Submit official graduate transcripts for the university. You will need to submit official transcripts for all graduate level coursework. It can also be helpful to submit information on the courses you’ve previously taken, including syllabi or course descriptions. These materials can help a university determine whether courses are similar enough to reward transfer credit.
  • Receive transfer credit evaluation. You will receive a determination that shows how many credits you received, what courses they apply to and how many credits still need to be completed.
  • Get started! Meet with your academic and/or faculty advisors to determine your schedule and complete your doctorate. 

5 Questions to Ask When Choosing a Doctoral Completion Program

If you chose to stop your doctorate studies, there was likely a compelling reason. For some, the original doctorate program they chose wasn't a good fit for their needs as a student. You want to make sure that if you return to doctoral studies, the program you choose will set you up for success.

Make sure you ask these questions before choosing a doctoral completion program:

  • How many credits will transfer into the doctoral completion program? You want to ensure as many credits as possible transfer into a new doctoral program, especially if you’re at the ABD stage.
  • How will this program support you in completing your doctorate? Look for programs that offer dedicated faculty advisors, active student associations and extensive online library systems. All of these resources will help you complete your doctorate.
  • Do you feel confident about the dissertation process? Many people fear the dissertation process. It’s why ABD has become a de facto designation for those who stop their doctoral studies before they complete their dissertation. Make sure you understand how dissertation committees work, how to establish milestones and how to defend a dissertation. Knowing all of this in advance can help you formulate a clear plan to finish your dissertation and earn your degree.
  • Will this doctorate program work with your schedule? Some doctoral completion programs have a required in-person component. Others are conducted entirely online. The structure and flexibility of the program you choose will ultimately determine if you can successfully complete it or not.

Admission Information for the PhD in Criminal Justice

Admission requirements.

  • A non-refundable, non-transferable $50 application fee will be posted on the current application upon enrollment (waived for qualifying service members, veterans, and military spouses – documentation verifying military status is required) .
  • Send official college transcripts (mailed as sealed, unopened copies or sent via a direct electronic transcript system). A regionally or nationally accredited master’s degree with at least a 3.0 GPA is required for admission in good standing.
  • Applicants whose native language is other than English must submit official scores for the Test of English as a Foreign Language (TOEFL) or an approved alternative assessment. For information on alternative assessments or TOEFL waivers, please call Admissions or view the official International Admissions policy .

Preliminary Acceptance

If you are sending in a preliminary transcript for acceptance, you must:

  • Be in your final term and planning to start your doctoral degree after the last day of class for your master’s degree.
  • Complete a Master’s Self-Certification Form confirming your completion date. You may download the form from the Forms and Downloads page or contact an admissions counselor to submit the form on your behalf.
  • Submit an official transcript to confirm that you are in your final term. The preliminary transcript must show that you are within 6 credit hours of completion for a 30-48 credit hour master’s degree or within 9 credit hours of completion for a 49+ credit hour master’s degree.
  • Send in an additional, final official transcript with a conferral date on it by the end of your first semester of enrollment in the new doctoral degree.

That’s a mistake. Every phase of a project is important. Project completion is more than delivering on time, within budget and meeting quality expectations. Here are 10 steps that will lead to successful project completion.

What Is Project Completion?

Project completion is the final phase of a project’s life cycle, which starts with initiation and moves through planning, execution, monitoring and controlling to project completion. The project reaches completion when all the activities are finalized and the project is delivered to the client or stakeholder.

There are many key activities to the project completion phase, from verifying that all the project’s deliverables meet executions and are accepted by stakeholders, to completing all project documentation and doing a post-mortem to identify what went right and what didn’t. The project is then transferred to the stakeholders and the project’s team efforts are recognized.

What Is a Project Completion Report?

A project completion report is a document that provides an overview of the project and is created to provide stakeholders with a project summary. Included in the project completion report are the original project goals and objectives as well as statements showing how the project met those goals and objectives.

The performance of the budget and schedule are also summarized in the project completion report. For example, did the project deliver on time, within budget and meet the quality expectations of the client? There’s also a section that specifically addresses client satisfaction. Proof that clients have received deliverables, invoices, project files and communications and more are also part of the project completion report.

This is the last project deliverable and is used to elicit feedback from stakeholders and used to improve future project performance. The project manager creates it to determine project success for senior management. This closes the project, releases project resources and communicates final information to stakeholders.

What Is a Project Completion Certificate?

A project completion certificate is a legal document that states the project has been completed as contracted. These are more commonly found in construction projects , where there are many regulations and bylaws that are set by the local municipal body and the project needs to be in compliance with them. It is provided after the inspection of the building project. It is important for getting an income tax rebate on home loans, to sell or occupy a property and more.

Project Completion Checklist

Because project completion is just as important as the other phases of the project life cycle, it should get the same attention one puts into planning , execution, etc. It’s easy to think that with the project delivered all work is done. But many loose ends need to be tied before the project can be archived and truly done. Check off the items on this list to ensure project completion is complete.

Review the Project Success Criteria

The success criteria that should be reviewed at project completion include the cost, time and scope, but aren’t restricted to the classic iron triangle. Also in review should be if the quality expectations have been met, stakeholder and team satisfaction, resource utilization, control and risk management.

Ensure All Project Deliverables Were Produced

The project will have a final deliverable, but there’s a number of smaller deliverables that need to be created throughout the project life cycle first. The client or stakeholder should sign off on each deliverable. At project completion, a review of all these deliverables should be made to ensure they have been produced.

Conduct Post Project Evaluations

The project closure stage is also a time to reflect on what went well and what didn’t. These evaluations will look at the overall effectiveness of the project and analyze the results. It helps to identify areas where improvements can be made and then apply these lessons learned to future projects.

Make a Project Completion Report

Many of these steps will be compiled in a summary called a project completion report, usually created by the project manager. This project report will note the project objectives and what the team accomplished as well as highlight any of the lessons learned. Recommendations for improving processes in future projects are listed and the team and sponsors are thanked. This project completion report is then distributed to the project team, customers and stakeholders.

Write a Project Completion Certificate

As noted above, the project completion certificate is a legal document that’s commonplace for construction projects. It states that the construction of the project or property has been completed to the satisfaction of the approved building plan.

Close Contracts

All contracts issued over the life cycle of a project must be completed and signed off on. This is important as it determines if the work described in the contracts was completed as defined. All the tasks and terms of the contracts must be closed before the project completion phase can be done.

Archive Project Documentation

All project documentation should be archived as it can help direct future projects. This includes all contracts, proposals, the business case, charter, scope statement, schedule, budget estimate, project management documents, surveys, status reports , checklist and emails.

Make Final Payments

Everyone must be paid for their work during the project completion phase. This is only if the suppliers, vendors, contractors, subcontractors, et al., have met their contractual obligations, including resolving any problems, making repairs, completing punch list items, etc.

Have a Post-Mortem Meeting

A post-mortem meeting is a business process in which the project team, project manager and stakeholders review and evaluate the project results. The information that’s codified in the above project evaluation is gathered in this process where everyone is expected to speak honestly and discuss where the project could have been better.

Release the Project Team

While not an official process, the project team must be released from the concluding project so they’re free to be assigned to other projects. But this process can include suppliers, contractors and other partners who should be notified that the project has been completed, confirm any final payments or obligations and release them to work on other projects.
