You've been working as a temporary employee, and you want to request a transfer to a permanent position. How can you make the request to your employer? What should you write in a letter requesting a transfer  to a permanent role?

Here's an example of a letter or email message used to apply for a transfer from a temporary position to a permanent one. Also review advice on what to include in your letter, and how to make the request to turn a contract or temp job into a permanent one.

Some employers have a streamlined process for temporary employees seeking a permanent role. With others, temporary workers may have to apply for the position through the same process as external candidates.

Company Policy

For some positions, you may need to formally apply for a permanent position. If that's the case, you'll most likely need to complete a formal job application and additional paperwork with human resources.

Federal Jobs

If you are applying to a federal agency, be aware that temporary employees often do not have the status that a permanent federal employee has. Also, the organization may not be able to easily convert you to permanent. Accepting a temporary job with the company often is the best way to get your foot in the door. Working in a temporary role gives you an opportunity to demonstrate your skills and potential. But when your temporary stint ends and your supervisor hasn't talked to you about joining the company as a full-time, permanent employee, show the initiative and ask for what you want, which is more than temporary work. Don't just stop by your supervisor's office and mention that you want to become a regular employee. Write a letter that explains the reason why you are a good fit for a larger role with the company.

Permanent Versus Regular or Full-Time Employment

The vast majority of companies are at-will employers, meaning that either you or the company can sever the employment relationship at will, with or without notice or reason, provided the employer doesn't act in a discriminatory manner when it terminates an employee. The term "permanent employment" generally means that you have an employment contract and that your tenure with the company isn't at will. Before you draft your letter requesting the company offer you a permanent job, make sure you're using the correct terminology.

Assuming you work for an at-will employer and that you aren't asking for an employment contract, ask the company to change your status from temporary employment to regular employment. Demonstrating your knowledge of temporary versus regular employment is an important factor when you are asking to change your employment status. Sometimes the difference between temporary employment and regular employment is work schedule, pay and benefits.

Set the Right Tone

Consider this much like a cover letter from an external applicant – describe your qualifications and skills, and articulate why you are a suitable candidate. Add to that how the company stands to benefit from hiring you. As a temporary employee, you acquired knowledge of company policies and practices, you have already completed job training for this role and you have been performing this job successfully for quite some time. The advantage you have over external applicants is that you understand how the company operates and you have the institutional knowledge that external applicants do not. Phrase it so that you explain how the company benefits from hiring you and don't make it all about you.

"In addition to my proven relationship-building skills with customers and my knowledge of ABC Company products, I have a thorough understanding of the company's policies, practices and processes. My orientation and ramp-up time would be minimal, which saves company time and money by hiring me instead of an external candidate."

The Emotional Appeal

The benefit of regular employment might be moving to the company's regular pay scale, as well as benefits such as health insurance coverage, paid time off and perhaps an opportunity for career advancement. Chances are that you want a regular position for more than just the benefits. Assuming that is true, explain how much you enjoy the company and being part of the team.

"In addition to my skills, qualifications and institutional knowledge, I truly enjoy my job with ABC Company. I get a great deal of satisfaction both from working with ABC customers and collaborating with my co-workers. Moreover, the company's principles and ethics are aligned with my own. I would be delighted if you would consider my request to become a regular, full-time employee."

Remember to Follow Up

Deliver original, signed copies of your letter to the HR department and to your supervisor. Follow up within a week to ask if they will schedule a meeting with you to talk about the possibility of coming onboard as a regular employee. How to create a good CV

Remember that your CV is your first opportunity to communicate your skills and experiences to a future employer. It is a snapshot of who you are, your skills, your educational background, work experiences and other achievements.

Present your experience clearly

Highlight examples of your skills and experiences matching the job you are applying for. Pay close attention to the details published in the vacancy notice.

Tailor your CV

Make sure you update the ‘About Me’ section to highlight why you are the best person for the job. Do not include a full detailed history. Focus on facts and main points that match the job you have in mind.

Make it readable

Make sure your CV is easy to read. Use clear and simple language.  Use strong verbs (e.g. ‘managed’, ‘developed’, ‘increased’).

International Clerkships Program 2024-2025 - CALL FOR APPLICATIONS

McGill’s Centre for Human Rights and Legal Pluralism (CHRLP) is currently accepting applications for:

  • a 12-month clerkship at the Permanent Court of Arbitration (PCA);
  • a 10-month clerkship at the International Court of Justice (ICJ);
  • a 4-month clerkship at the Inter-American Court of Human Rights (IACHR).

The clerkships are due to start in September 2024.

Clerks at each court are assigned to assist one or more judges or staff of the Courts with tasks such as drafting legal and administrative documents, preparing case files, and researching legal issues.

Eligibility

General requirements:

Current McGill BCL/LLB, LLM or DCL students graduating in June 2024, and recent McGill graduates from Fall 2021 onwards may apply for these positions.

The Centre, on behalf of the Faculty of Law, will select a shortlist of candidates to submit to each court for final selection.

Candidates will be selected based on:

  • demonstrated writing and research skills;
  • training in and familiarity with international law and relevant courses pertaining to the court they are applying to;
  • proficiency in the Court’s official languages: French and English for the Permanent Court of Arbitration (PCA) and the International Court of Justice (ICJ)

Application Process

Candidates should apply to a specific clerkship. Should they wish to apply for more than one clerkship, they should submit separate cover letter for each candidacy.

Candidates should submit the following documentation:

  • A cover letter that specifies the particular Court for which they are applying;
  • A completed Personal History Form and Synoptic Table Form (for ICJ applications only);
  • Copies of transcripts for all post-secondary study;
  • Two letters of recommendation*; and
  • A sample of written work no longer than fifteen (15) double-spaced pages.

All application materials (including recommendation letters) must be submitted in a single attachment in an email sent to clerkships.law [at] mcgill.ca by 17:00 PM ET on January 15 , 202 4 . Short-listed candidates will be asked to provide original, hard copies of their application materials to be forwarded to the Courts for the final selection in February.

Stipend: The Faculty provides a 15,000 dollars stipend for ICJ and PCA clerkships. For the clerkship with the Inter-American Court, the stipend amount is 8,000 dollars. All amounts are subject to change depending on the available funding for 2024-25 clerkship year.
