During my tenure at Carlton Construction, I closely collaborated with cross-functional teams, ensuring all construction phases met the required codes and standards. With a proactive approach to risk mitigation and implementing safety compliance, we consistently outperformed our project benchmarks to achieve a 97% on-time project delivery.

As a candidate, I’m elated about the prospect to contribute my skills and experiences to further enhance the impressive portfolio of projects under your banner.

I greatly appreciate your consideration and I’m eager to discuss how my skills align with the growth and excellence of Elkins Constructors. Please feel free to reach out at your convenience.

My leadership in enhancing project efficiency saw a reduction in overhead costs by 11% and a surge in project profitability by 24%.

With a Bachelor of Science degree from The University of Kansas, combined with my hands-on experience and adeptness in problem-solving, negotiation, and analysis, contributing meaningfully to JE Dunn Construction’s team is a goal I’m eager to achieve. How to Format a Construction Project Manager Cover Letter

Salesperson pops out of computer screen to depict outselling the competition with sales cover letter

Just as blueprints and schematics need to be followed step by step, your cover letter is a sum of your professional skills and the requirements listed in the job description . To impress the hiring manager, you’ll need to update it for every job and highlight why you’re the right fit for that exact role.

Read the job listing and determine what matters most to the company, be it the ability to manage a large team of construction workers or the financial chops needed to handle massive budgets. Update your cover letter to reflect those needs.

Construction project manager cover letter introduction

You’re no stranger to having to make a great first impression. After all, your job involves communicating with major stakeholders, onboarding new construction workers, and regularly negotiating with vendors.

This is where you put those job skills to the test and ensure that the recruiter reads your cover letter from start to finish. To get their attention immediately, dig out the recipient’s name, then start your cover letter with a personalized greeting.

Use the first paragraph to establish a connection with the company immediately. For example, if the company specializes in green building projects, mention how your LEED Certification proves that this is important to you, too. You can expand on this in the following paragraphs.

Whatever you do, don’t do this. Scolding the employer from the get-go is a surefire way not to get an interview!

I might want to work with you, but you didn’t provide a salary range. I’m experienced and hope to be paid accordingly.

This is so much better. The applicant immediately recognizes the company’s main values and emphasizes how much they want to work there.

They’ll love it!

Construction project manager cover letter body

From overseeing the daily operations of construction teams to coordinating with architects and technicians, you’re the driving force behind many projects. Use this part of your cover letter to really get into how your hard work turns into tangible benefits for the company.

To really ace this part, use the job description as your reference. If it’s all about cutting costs, discuss how you managed a $10M residential construction project and completed it within budget.

However, if it emphasizes knowledge of construction software, recount how you used AutoCAD and SketchUp to refine project designs.

No matter the content, always focus on your greatest achievements and back them up with metrics that show your impact as a manager.

That’s really impressive!

Construction project manager cover letter closing

To craft a memorable final paragraph and signoff, go back to the start and reaffirm your connection to the company and how you understand its mission.

This is where you can drop a final mention of your skills in the fields of construction or project management, and make it a good one—pick something that really ties well with the job. For instance, if the role stresses reducing costs, mention how your skills in establishing excellent supplier relations can come in handy.

Remember to sign off with a “thank you for your consideration,” and add a call to action if you want. This can be as simple as “I look forward to talking about my qualifications during an interview.”

The closer below really fell flat. Now is not the time to discuss potential time off—the applicant should wait to get hired first.

No, thanks…

I look forward to working with you. Get back to me soon because I’m going on vacation in two weeks.

Here’s how you can do it right. This closer shows that the applicant is well aware of the company’s long-lasting legacy and is eager to start shortly.

Fantastic signoff!

Not all jobs require this, but in construction, listing some certifications can give you an edge. Typically, you can do this in your construction project manager resume and reference a relevant cert if it comes up in your cover letter, such as the CSP or the PMP.

First, make sure you’ve exhausted all options. Check the company’s website and LinkedIn, call them, or contact any connections in the construction industry that could help you learn the hiring manager’s name. If you absolutely can’t find it, settle for a “Dear Hiring Manager.”

Don’t let your cover letter resemble some of the lengthy project documentation you sometimes have to sift through. Instead, keep it short at around four to six paragraphs, and definitely make sure it fits onto a single page.

Kick off your construction manager cover letter: the salutation or greeting

When writing your construction manager cover letter, remember that you're not writing for some complex AI or robot, but for actual human beings.

And recruiters, while on the lookout to understand your experience, would enjoy seeing a cover letter that is tailored to the role and addresses them . Personally.

So, if you haven't done so, invest some time in finding out who's the hiring manager for the role you're applying to. A good place to start would be LinkedIn and the corporate website.

Alternatively, you could also get in touch with the company to find out more information about the role and the name of the recruiter.

If you haven't met the hiring manager, yet, your construction manager cover letter salutation should be on a last-name basis (e.g. "Dear Mr. Donaldson" or "Dear Ms. Estephan").

A good old, "Dear HR Professional" (or something along those lines) could work as your last resort if you're struggling to find out the recruiter's name.

List of salutations you can use

  • Dear Hiring Manager,
  • Dear [Company Name] Team,
  • Dear [Mr./Ms./Dr.] [Last Name],
  • Dear [Job Title] Hiring Team,
  • Dear [Department] Team,
  • Dear [Project Name] Recruitment Team,

Introducing your profile to catch recruiters' attention in no more than two sentences

The introduction of your construction manager cover letter is a whole Catch 22 .

You have an allocated space of no more than just a paragraph (of up to two sentences). With your introduction, you have to stand out and show why you're the best candidate out there.

Set out on a journey with your construction manager cover letter by focusing on why you're passionate about the job. Match your personal skills and interests to the role.

Another option for your construction manager cover letter introduction is to show you're the ideal candidate. Write about how your achievements and skills are precisely what the company is looking for.

However you decide to start your construction manager cover letter, always remember to write about the value you'd bring about. Making it both tangible (with your metrics of success) and highly sought out.

That one achievement in your construction manager cover letter body

The lengthiest part of your construction manager cover letter is the body.

Within the next three to six middle paragraphs, present yourself as the best candidate for the role .

How can you do that without retelling your whole professional resume?

Select one key achievement that covers job-crucial skills and technologies (and is memorable).

Within the body of your construction manager cover letter, aim to tell the story of how you achieved your success. Also, write about how this would help out your potential team.

Thinking about the closing paragraph of your construction manager cover letter

Before your signature, you have extra space to close off your construction manager cover letter .

Use it to either make a promise or look to the future.

Remind recruiters how invaluable of a candidate you are by showing what you plan to achieve in the role.

Also, note your availability for a potential next meeting (in person or over the telephone).

By showing recruiters that you're thinking about the future, you'd come off as both interested in the opportunity and responsible.

What to write on your construction manager cover letter, when you have zero experience

The best advice for candidates, writing their construction manager cover letters with no experience , is this - be honest.

If you have no past professional roles in your portfolio, focus recruiters' attention on your strengths - like your unique, transferrable skill set (gained as a result of your whole life), backed up by one key achievement.

Or, maybe you dream big and have huge motivation to join the company. Use your construction manager cover letter to describe your career ambition - that one that keeps you up at night, dreaming about your future.

Finally, always ensure you've answered why employers should hire precisely you and how your skills would benefit their organization.

Key takeaways

Writing your construction manager cover letter has never been easier, so remember to:

  • Select a construction manager cover letter template that automatically meets industry formatting (e.g. has one-inch margins, is single-spaced, is in PDF, etc.);
  • Make your construction manager cover letter personal by mentioning the recruiters' first or last name;
  • Within the introduction, describe what you like best about the company in no more than two sentences;
  • Use your construction manager cover letter body to tell a story of your greatest achievement, backed up by job-relevant skills and technologies;
  • If you have no professional experience, be honest about it in your construction manager cover letter, but also write about your unique talents.

Opening paragraph. Start by stating your cover letter’s intent and then catch the hiring manager’s eye immediately by sharing your most impressive career achievement.

Body paragraph #1. Provide a few more career achievement examples to hammer in your credibility. Make sure to cover a range of essential skills here, rather than just a few.

Construction manager cover letter body paragraph #1.

After you’ve caught the hiring manager’s attention with a notable achievement, the next step is to strengthen that credibility by providing even more career accomplishments.

Ensure that these achievements showcase a variety of critical skills rather than just focus on a few specific ones.

When it comes to a construction manager position, you want to demonstrate specific technical abilities such as an understanding of building construction and the relevant laws and regulations involved.

You should also highlight critical soft skills such as effective leadership and communication.

Here’s an example body paragraph that puts these guidelines into practice.

A few other examples to demonstrate my leadership ability and construction expertise include: Also at Sunnyside, regularly used knowledge in blueprint assessment to recommend improvements and point out oversights to architects, saving our clients over $2 million across 4 years. At Hodgkins Sons, personally mentored over 30 carpenters in home construction and design, saving the company over $60,000 in training costs. At Davidson Home Construction, used interpersonal skills to build positive lasting relationships between the company and our clients, resulting in 23% more business volume due to increased customer recommendations.

Construction Manager Cover Letter Body Paragraph #2

The goal of your final body paragraph is to explain how you’re going to replicate your past successes for your new employer.

Set the scene. Begin by examining the job listing and researching the company. You want to learn what types of projects they specialize in and possible challenges they’re currently facing.

Make sure not to speculate and only go off of explicit information they’ve mentioned.

Align your experience. Now that you’ve identified some of the company’s current challenges, paint yourself as the perfect candidate for the job.

Think back on your career achievements and provide the most directly relevant one that showcases your ability to solve a similar problem.

Here’s a sample second body paragraph that puts these steps into practice.

I see in your job description that your firm is looking to expand into constructing commercial real estate. This fits my experience perfectly. At Argo Construction, I led the team that built the local Gymco Rec Center, a 300,000 square foot complex that serves over 4,000 visitors each day. Using my extensive knowledge in building codes and regulations, leadership, and project management, my team was able to complete the project four months ahead of schedule and 11% under budget.

Construction Manager Cover Letter Closing

Finish your cover letter by:

Summarizing what you offer. Remind the hiring manager of your main skills and express your interest in the position once more.

Thanking the hiring manager. It’s a common courtesy to thank the reader for considering your application and taking the time to read it.

Inviting the next step. Tell the employer that you’re looking forward to meeting with them and discussing the position.

Identify the company’s specific industry. Researching the company you’re applying for is extremely important when applying for a construction manager role.

Reference completed construction projects. All successful construction managers should be able to point to a history of delivering high-quality projects at minimal cost.

If you participated in the successful construction of a local apartment or stadium, invite the hiring manager to look up the location, and the results will speak for themselves.

This tip is crucial if you’re writing your cover letter to request a promotion . Companies will only increase your salary if you can convince them that you’re well worth it.

It's essential to remember that your cover letter should maintain a formal tone and follow a recommended structure. But what exactly does this structure entail, and what key elements should be included in a Construction Project Manager cover letter? Let's explore the guidelines and components that will make your cover letter stand out.

Key Components For Construction Project Manager Cover Letters:

  • Your contact information, including the date of writing
  • The recipient's details, such as the company's name and the name of the addressee
  • A professional greeting or salutation, like "Dear Mr. Levi,"
  • An attention-grabbing opening statement to captivate the reader's interest
  • A concise paragraph explaining why you are an excellent fit for the role
  • Another paragraph highlighting why the position aligns with your career goals and aspirations
  • A closing statement that reinforces your enthusiasm and suitability for the role
  • A complimentary closing, such as "Regards" or "Sincerely," followed by your name
  • An optional postscript (P.S.) to add a brief, impactful note or mention any additional relevant information.

Cover Letter Header

A header in a cover letter should typically include the following information:

  • Your Full Name: Begin with your first and last name, written in a clear and legible format.
  • Contact Information: Include your phone number, email address, and optionally, your mailing address. Providing multiple methods of contact ensures that the hiring manager can reach you easily.
  • Date: Add the date on which you are writing the cover letter. This helps establish the timeline of your application.

It's important to place the header at the top of the cover letter, aligning it to the left or center of the page. This ensures that the reader can quickly identify your contact details and know when the cover letter was written.

Cover Letter Greeting / Salutation

A greeting in a cover letter should contain the following elements:

  • Personalized Salutation: Address the hiring manager or the specific recipient of the cover letter by their name. If the name is not mentioned in the job posting or you are unsure about the recipient's name, it's acceptable to use a general salutation such as "Dear Hiring Manager" or "Dear [Company Name] Recruiting Team."
  • Professional Tone: Maintain a formal and respectful tone throughout the greeting. Avoid using overly casual language or informal expressions.
  • Correct Spelling and Title: Double-check the spelling of the recipient's name and ensure that you use the appropriate title (e.g., Mr., Ms., Dr., or Professor) if applicable. This shows attention to detail and professionalism.

For example, a suitable greeting could be "Dear Ms. Johnson," or "Dear Hiring Manager," depending on the information available. It's important to tailor the greeting to the specific recipient to create a personalized and professional tone for your cover letter.

Cover Letter Introduction

An introduction for a cover letter should capture the reader's attention and provide a brief overview of your background and interest in the position. Here's how an effective introduction should look:

  • Opening Statement: Start with a strong opening sentence that immediately grabs the reader's attention. Consider mentioning your enthusiasm for the job opportunity or any specific aspect of the company or organization that sparked your interest.
  • Brief Introduction: Provide a concise introduction of yourself and mention the specific position you are applying for. Include any relevant background information, such as your current role, educational background, or notable achievements that are directly related to the position.
  • Connection to the Company: Demonstrate your knowledge of the company or organization and establish a connection between your skills and experiences with their mission, values, or industry. Showcasing your understanding and alignment with their goals helps to emphasize your fit for the role.
  • Engaging Hook: Consider including a compelling sentence or two that highlights your unique selling points or key qualifications that make you stand out from other candidates. This can be a specific accomplishment, a relevant skill, or an experience that demonstrates your value as a potential employee.
  • Transition to the Body: Conclude the introduction by smoothly transitioning to the main body of the cover letter, where you will provide more detailed information about your qualifications, experiences, and how they align with the requirements of the position.

By following these guidelines, your cover letter introduction will make a strong first impression and set the stage for the rest of your application.

The best way to start a Construction cover letter is by addressing the hiring manager directly, if their name is known. If not, "Dear Hiring Manager" is a suitable alternative. The first paragraph should introduce yourself, the position you're applying for, and where you found the job listing. It's also beneficial to immediately highlight a key achievement or skill that makes you a strong candidate for the role. For example, "As a seasoned construction professional with over 10 years of experience in managing large-scale commercial projects, I am excited to apply for the Project Manager position advertised on your website." This approach grabs the reader's attention and sets the tone for the rest of the letter.

Construction professionals should end a cover letter by summarizing their interest in the position and their qualifications. They should reiterate their enthusiasm for the role and the value they can bring to the company. A strong closing might be: "I am excited about the opportunity to bring my unique blend of skills and experience to your team and am confident that I can contribute to the successful completion of your projects. Thank you for considering my application. I look forward to the possibility of discussing this opportunity further." Always remember to end with a professional closing like "Sincerely" or "Best regards," followed by your full name. It's also important to include your contact information in the closing section, so it's easy for the hiring manager to reach out to you.

A Construction cover letter should ideally be about one page in length. This is because hiring managers often have many applications to go through and a concise, well-written cover letter can effectively communicate your skills and experiences without taking too much of their time. In this one page, you should introduce yourself, explain why you're interested in the construction role, highlight your relevant skills and experiences, and conclude with a strong closing statement. Remember, the goal is to grab the reader's attention and make them want to learn more about you from your resume.

Writing a cover letter with no experience in construction can seem challenging, but it's definitely possible. Here's how you can approach it: 1. **Research**: Understand the job requirements and the company's values. This will help you tailor your cover letter to meet their needs and show that you're a good fit. 2. **Introduction**: Start your cover letter by introducing yourself and stating the position you're applying for. Mention how you came across the job posting. 3. **Highlight Relevant Skills**: Even if you don't have direct experience in construction, you might have transferable skills that are relevant. For example, if you've worked in a role that required physical labor, teamwork, problem-solving, or project management, these are all skills that are valuable in construction. 4. **Show Enthusiasm**: Express your interest in the construction industry and your willingness to learn. Employers value candidates who are eager to grow and adapt. 5. **Education and Training**: If you have any education or training that could be relevant, be sure to mention it. This could include a degree in a related field, or even short courses in things like health and safety, project management, or any technical skills. 6. **Personal Qualities**: Highlight personal qualities that would make you a good fit for the role. This could include being physically fit, detail-oriented, reliable, or having good communication skills. 7. **Closing**: In your closing paragraph, thank the employer for considering your application and express your interest in the opportunity to discuss your qualifications further in an interview. Remember, everyone starts somewhere. What you lack in experience, you can make up for with enthusiasm, willingness to learn, and transferable skills. Be sure to proofread your cover letter for any errors before sending it.

Given the high costs and investment risks inherent to the construction industry, employers seek the most experienced, credentialed construction managers they can find. So, when applying for a job in construction management, your cover letter should include mention of previous projects, along with any certifications or education you have received.

If, however, you are applying for your first construction management position, you should highlight your leadership, communication, and project management skills on the cover letter to garner the employer’s interest. It also doesn’t hurt to play the networking card and drop names of contacts you may share in common with the employer (but only if you know that this contact would say positive things about you if asked).

Aubrey Lee Director, Human Resources Acme Construction 123 Business Rd. Business City, NY 54321

From the first day, I began managing custom home construction projects seven years ago, I have consistently realized my objective of bringing every single project in on time and under budget. However, I have never believed that meeting those criteria alone was good enough.

If you agree that well-managed projects should exceed customers' expectations regarding quality and service, we should talk.

To help you learn more about my track record, I have enclosed my resume. While it illustrates my experience and training, what it cannot communicate is my dedication to my craft. My professional creed and contributions include:

  • Pride in the quality of my work, and a willingness to personally perform even the most menial tasks to remove project obstacles and get the job done.
  • Success in the on-time, quality completion of 75+ new homes in XYZ City’s Sunnyside, Edgemoor, and Rolling Hills, and Berkeley neighborhoods since 20-- (portfolio available upon request).
  • Ability to envision how specific parts of the house should look and flow, and to communicate those ideas to architects, designers, and upper management, always with positive results.
  • Expertise in blueprint assessment and collaborating with architects throughout the course of a job to point out oversights that would unnecessarily consume the client's time and money.
  • Skilled in building lasting relationships with homeowners, who frequently request project advice. Willing to provide this advice at no charge in the interest of customer goodwill when necessary.
  • Excellent skills in guiding, motivating, training, and mentoring other carpenters.

Based on my experience and a strong commitment to my craft, I know I will add significant value to your team. I look forward to discussing my capabilities in more detail and am available for a personal interview at your convenience.

Thank you for your time and consideration.

Construction Project Manager Cover Letter (plain text)

Dear Mr. Pulaski,

Thank you for taking the time to consider my candidacy. As the former assistant project manager of Drummonds Construction company as well as holding a degree in Engineering from Illinois State University, I have great confidence in myself that I will be an excellent asset to your team at Springville Construction.

The attached resume provides further details about my employment and key qualifications, including my past achievements, which I plan to replicate at your company. This includes on-time and on-budget delivery of 10+ condo projects in the Bay Area, a 20% reduction in building material purchase costs through my established contacts with local vendors, as well as an average CSAT of 97% my team has maintained for the last 3 years.

During my 10 years at Drummonds, I have developed strong negotiation skills and honed my problem-solving abilities. I was recognized three times as one of the “best construction managers to work under” by an anonymous company poll. Likewise, I have always found reasonable compromises with clients, who had shifting priorities or faced budget issues.

With my illustrated experiences and skills I believe that I am an excellent candidate for the Project Management position at your construction firm. Thank you again for your consideration and I hope to hear from you soon.

How to Write a Cover Letter for a Construction Project Management Role

Your cover letter should draw the readers’ attention toward your most relevant qualities. It doesn’t have to be a condensed summary of your resume. It should be a “teaser” and highlight some of your key achievements and competencies.

Start by creating a cover letter outline first, which focuses on two or three main talking points. For example, an achievement, one hard and soft skill. Then apply the following tips to add the polishing touches.

Convey Your Enthusiasm

Use your letter to portray yourself as a future employee who is eager to be gainfully employed by the company in question. Talk about the skills you can bring to the table and finish the cover letter by thanking the person reading it for their consideration of you for the job.  Doing so shows that you know what professional courtesy is and will bring good morale to the company as well as an excellent skill set.

Show Where You’re Coming From

If you have construction experience in the past, emphasize it in the cover letter. It’s common for artisans and handymen to progress up to supervision and management positions. What’s more, it shows that you understand better than anyone else how construction happens on the ground, plus can establish quick rapport with the team.

Curate Your Letter to Who You Send it to

Always remember that the world is much smaller than you think and that while many companies do compete against each other some actually work together and you may never even consider it. Write an individual letter for each company that you apply for. If you dispatch a generic cover letter , it’s very likely that some recruiter will take notice. This is a good way to get your resume either placed in the do not hire pile or worse thrown into the trash.

Illustrate Your Relevant Education and Training

Remember that a management job requires more experience and professional training. Some candidates may not have it (which is fine). But if you’ve obtained some of the prestigious certifications like Project Management Professional (PMP) , Certified Construction Manager (CCM) , or Certified Professional Constructor (CPC) , be sure to mention them both in your resume and cover letter.

Final Tip: Check Your Grammar

The written language is very important for any business. While you may not be reprimanded or placed in the do not hire pile for the occasionally misplaced period or comma if your letter is full of grammatical mistakes, your chances of being hired may drop to almost zero. Take the time after you finish writing your letter to put it through a grammar-checking app like Grammarly .

How to Write a Project Cover Letter?

Writing a compelling project cover letter requires a careful blend of highlighting your skills and weaving in your experiences. Here’s a step-by-step guide to writing your cover letter:

1. Start with Contact Information: Your cover letter should start with your contact details at the top, followed by the date, and then the employer’s contact information.

2. Subject Line: The subject line of your email should be clear and descriptive. It should include the position you’re applying for and your name.

3. Salutation: Start your letter with a professional greeting. If you know the hiring manager’s name, use it. If not, phrases like “Dear Hiring Manager” are appropriate.

4. Introduction: Open your letter with a sentence or two explaining why you’re writing. Mention the job title you’re applying for and where you found the job posting.

5. Body of the letter: The body of your cover letter should highlight your skills and experiences that make you a good fit for the job. Use specific examples from your past work to illustrate these points.

6. Conclusion: The closing paragraph should reiterate your interest in the position, thank the employer for their consideration, and suggest a next step (for instance, asking for an interview).

7. Closing: Use a professional closing like “Sincerely” or “Best regards” and then your name.

Remember, a good project cover letter is tailored to the job description and speaks to the employer’s needs. It’s your chance to explain how your experiences and skills make you the right candidate for the project at hand.

Tips for a Project Cover Letter:

1. Tailor Each Letter: Don’t use the same cover letter for every job. Tailor it to the specific requirements of the job and the company.

2. Use Quantifiable Results: Using numbers to quantify your achievements (like “increased efficiency by 30%”) can be very persuasive.

3. Keep it Brief: Keep your cover letter concise. A full page or less is usually sufficient.

4. Proofread: Ensure that your cover letter is free of errors. It’s often helpful to have someone else proofread it as well.

5. Show Enthusiasm: Employers want to hire people who are enthusiastic about the work. Show your interest and passion in your letter.

Crafting a compelling project cover letter is all about showcasing your project management skills, experience, and your ability to deliver results. It’s about convincing the hiring manager that you’re the right person to execute and deliver the project successfully.

Project cover letters are a powerful tool for showcasing your project management skills and experiences. They provide a platform to highlight your capabilities and communicate how you can add value to an organization. Remember, the key to a good cover letter is customization and showing your enthusiasm for the role.

What is a Cover Letter?

A cover letter is a one-page document that you submit as part of your job application, alongside your resume .

Its purpose is to introduce you and briefly summarize your professional background. On average, your cover letter should be from 250 to 400 words long .

A good cover letter can give the hiring manager more insight into what makes you a good candidate and help them make up their mind about whether they should invite you for an interview. A bad cover letter, though, will get ignored (at best) and lose you the job (at worst).

So, to make sure this doesn’t happen, it’s essential to know how to write a convincing cover letter.

The first thing to remember is that a cover letter is a supplement to your resume, not a replacement. Meaning, you shouldn’t just repeat whatever is mentioned in your resume and call it a day.

Optimally, you should use your cover letter to shed more light on your skills and qualifications, as well as explain anything you didn’t have space for in your resume (e.g. a career gap or why you’re changing careers).

If you’re writing a cover letter for the first time, though, putting all this together might seem pretty tough.

Fortunately, you can follow our tried-and-tested format to make the experience much easier:

  • Header - Input your contact information.
  • Greeting the hiring manager - Open the cover letter with a “Dear Sir or Madam,” or use the hiring manager’s name if you know what that is.
  • Opening paragraph - Grab the hiring manager’s attention by getting straight to the point. Mention what your professional experiences are, and what role you’re applying for.
  • The second paragraph - Explain why you’re the perfect candidate for the job. Mention your top 2-3 achievements, your top skills, why you want to work in that specific industry, and whatever else is relevant.
  • The third paragraph - End your cover letter with a call to action. E.g. “I would love to meet personally and discuss how I can help Company X.”
  • Formal closing - Something like this: “Thank you for your consideration. Best, John Doe.”

Here’s what this looks like in practice:

9 Tips to Write a Cover Letter (the Right Way)

Now that we've covered the basics, let's talk about cover letter tips . Below, we'll give you all the knowledge you need to take your cover letter from "OK" to "great."

#1. Pick the right template

A good cover letter is all about leaving the right first impression.

And what’s a better way to leave a good impression than through a professional, well-formatted, and visual template?

You can simply pick one of our tried-and-tested cover letter templates and you’ll be all set!

cover letter examples templates

#2. Add your contact details on the header

The best way to start your cover letter is through a header.

Here’s what you want to include there:

  • Phone Number
  • Name of the hiring manager / their professional title
  • Name of the company you’re applying to

Optionally, you can also include the following:

  • Social Media Profiles - Any type of profile that’s relevant to your field. Social Profiles on websites like LinkedIn, GitHub (for developers), Medium (for writers), etc.
  • Personal Website - If you have a personal website that somehow adds value to your application, you can mention it. Let’s say you’re a professional writer. In that case, you’d want to link to your content portfolio site or blog.

#3. Greet the hiring manager the right way

Once you’ve listed all your relevant contact information, it’s time to address the hiring manager reading your cover letter.

A good practice here is to find the hiring manager’s name and address them directly instead of using the traditional “dear sir or madam.” This shows that you’re really invested in the company and that you took your time to do some research about the job.

So, how can you find out the hiring manager’s name?

One way to do this is by looking up the head of the company’s relevant department on LinkedIn. Let’s say you’re applying for the position of Communication Specialist at Novoresume. The hiring manager is probably the Head of Communications or the Chief Communications Office.

Or let’s say you’re applying for the position of server at a restaurant. In that case, you’d be looking to find out who the restaurant manager is.

If this doesn’t work, you can also check out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

If you still can’t find out the hiring manager’s name, here are several other greetings you can use:

  • Dear [Department] Hiring Manager
  • Dear Hiring Manager
  • To whom it may concern
  • Dear [Department] Team

#4. Create an attention-grabbing introduction

Recruiters get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The problem with most cover letter opening paragraphs, though, is that they’re usually extremely generic, often looking something like this:

Hey, my name is Jonathan and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a sales manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

As you can probably tell, this opening paragraph doesn’t tell the hiring manager anything other than that you’ve worked the job before - and that’s not really helpful in setting you apart from other candidates.

What you want to do, instead, is start off with 2-3 of your top achievements to really grab the reader’s attention. Preferably, the achievements should be as relevant as possible to the position.

For example:

My name’s Michael and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked with Company X, a fin-tech company, for 3+ years. As a Sales Representative, I generated an average of $30,000+ in sales per month (beating the KPIs by around 40%). I believe that my previous industry experience, as well as my excellence in sales, makes me the right candidate for the role of X at Company Y.

The second example shows how the candidate is a top performer. The first just shows that they’ve worked a sales job before.

Which one are YOU more likely to invite for an interview?

#5. Show you’re the perfect person for the job

One great thing about cover letters is that they allow you to expand more on the top achievements from your resume and really show the hiring manager that you’re the right person for the job.

A good way to do that is to first read the job ad and really understand what skills/experiences are required, and then to ensure that your cover letter touches upon the said skills or experiences.

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $20,000+. As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. This means I created the ad copy and images, as well as picked the targeting, ran optimization trials, and so on.

Other than Facebook advertising, I’ve also delved into other online PPC channels, including:

  • Google Search

#6. Explain why you’re a great company fit

The HR manager doesn’t only look at whether you’ll be good at the job or not. They’re looking for someone that’s also a good fit for the company culture.

After all, employees that don’t fit in are bound to quit, sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary .

To convince the hiring manager that you’re a great company fit, do some research on the company and find out what it is you like about them, or about working there. You want to know things like:

  • What’s the company’s business model?
  • What’s the company's product or service? Have you used it?
  • What’s the culture like? Will someone micro-manage your work, or will you have autonomy on how you get things done?

Then, turn your top reasons for liking to work there into text and add them to your cover letter!

#7. Wrap up with a call to action

To make the end of your cover letter as memorable as possible, you want to:

  • Wrap up any points you couldn't in the previous paragraphs. Mention anything you’ve left out that you think could help the hiring manager make up your mind.
  • Thank the hiring manager for their time. After all, it never hurts to be polite.
  • Finish the cover letter with a call to action. A call to action is a great way to make your cover letter ending as memorable as possible.

#8. Write a formal closing

Once you’re done with the final paragraph, all you have to do is write down a formal “goodbye” and you’re good to go.

Feel free to use one of the most popular conclusions in a cover letter:

  • Best Regards,
  • Kind Regards,

#9. Proofread your cover letter

Last but not least, make sure to always proofread each and every document that you’ll be including in your job application - cover letter included.

The last thing you want is to be claiming you’re a great candidate for the job with a cover letter full of typos!

Frequently Asked Questions

Do you still have some questions about cover letters? Check out the answers below:

1. How do I write a simple cover letter?

To write a cover letter that’s simple but also professional, make sure to include a header with your personal information, a formal greeting to the hiring manager, an attention-grabbing opening paragraph, a second paragraph explaining why you’re a good candidate for the job, and a formal closing (preferably with a call to action).

2. What are the 3 parts of a cover letter?

The three parts of a cover letter are:

  • The introduction , namely the header, the greeting to the hiring manager, and the opening paragraph.
  • The sales pitch is usually the body of the cover letter.
  • The conclusion involves a formal closing and a signature line.

3. What makes a great cover letter?

A great cover letter should be personalized for each job you’re applying for, instead of being overly generic. It’s also preferable to address the hiring manager by their name and not use the overly-used “Dear Sir/Madam.”

To make a great first impression, you should mention 1-2 of your top achievements in your opening paragraph - the more job-specific they are, the better. Also, don’t stop at showing the hiring manager why you’re a great candidate for the job. Make sure to also talk about how you’re a good culture fit for the company.

Last but not least, wrap up your closing paragraph with a call to action to give the hiring manager a little extra something to remember you by.

4. When is a cover letter necessary?

Unless the job ad specifically states otherwise, you should always include a cover letter with your job application .

Even if the hiring manager doesn’t read it, you will look more professional simply by including one.

And that’s a wrap! We hope our cover letter examples and writing tips will inspire you to write a cover letter that will land you your next job.
