How to Present Your Counseling Program and Role to Staff

by  School Counselor Stephanie

Read Time:  min |   Advocacy , Collaboration

During back to school season, my co-counselors and I put together a presentation for staff about our counseling program. It is crucial to present your counseling program and what your job entails. Even if you spend most of your work week on one campus with the same colleagues and administrators, many staff probably do not know all that you do. This can be tricky because when colleagues and administrators don’t know what we do, they might think we need things to do. Or worse, they might feel resentful if they think our job has fewer responsibilities than their job. To help you start off right, I have lots of tips and resources to create a presentation that lets you explain your dynamic program to your staff. But first, let’s talk a bit about how to present yourself as their go-to resource on all things counseling!

Present Yourself to Staff

In my school district, counselors start before teachers, so that gives me a bit of time before I have to present my counseling program. The first thing I do is ask the principal to add me to the Welcome Back Staff Meeting agenda on the first day that the staff returns. I only take about 5-10 minutes at this meeting to introduce myself with my name, background, and a brief summary of my role as campus counselor to staff, with the promise of more to come soon when I present my counseling program to them. Here are some of the other things I do to present myself to staff:

school counselor presentation to staff

  • I meet briefly with all team leaders to review my role and how I can assist their teams. Then I find out when their weekly meetings are, so I can attend these meetings to give updates on student concerns.
  • I pop in briefly to all new teachers’ classrooms to reintroduce myself and my role and personally welcome them to campus.
  • I set aside some time daily where I am available to staff. This might come in the form of just attending the staff lunch or hanging out at the coffee pot in the teachers’ lounge or lingering a few minutes after any staff meetings. Alternately, I might make a morning announcement that I am available at a certain time of the day for any questions or comments they have for me.

Present Your Counseling Program to Staff

Once I have taken care of the mini-introductions, I gear up for my big counseling program presentation to staff. At my school, we ask for 30-45 minutes during a professional development day, and then we present our program to staff through a PowerPoint with handouts. We also include an ending activity where they can apply what we’ve presented to them. It is a lot of work to put the PowerPoint together, but it pays off in spades because for the rest of the year they understand what we do, how we help students, and how to utilize our services. In our presentation, we cover the following topics using lots of color, cartoons, memes, jokes, interesting anecdotes, games, prizes, and anything else we can think of to make the presentation as eye catching, interesting, and interactive as possible.

Presentation Topics

  • The official characteristics and duties of our role in the school (according to the guidelines set by governing state, board, campus, national or professional organization).
  • How we can support teachers in their work with students.
  • How we support students.
  • Procedures for how staff and students can utilize our services-especially in crisis situations.
  • A summary of the top 3-5 most important points of our presentation.

“Design is a funny word. Some people think design means how it looks. But of course, if you dig deeper, it’s really how it works.”

Founder and CEO , Apple

Break out of the PowerPoint Box.

Throughout the last decade – Microsoft PowerPoint has cornered the market on the presentation game. PowerPoint is a great tool and has lots of features to use. However, there is a new sheriff in town when I need to make a slideshow. I found that I needed a presentation tool that allowed me to easily create, access, edit and share presentations from multiple computers. I wanted to not have to worry about needing to download any YouTube video I wanted to show. I needed to be able to embed a copy of my presentations on my website or in an email to colleagues. Some of these actions, while possible in many cases, takes many steps and occasionally some advanced understanding of coding or design-work to actually make happen with PowerPoint.

The New Solution: Google Slides

Nearly all my presentations now are designed solely on Google Slides. Even if I use a PowerPoint file – I still upload those files to my Google Drive and make any edits via Slides. There are a few reasons that I have ditched PowerPoint.

1 – It is free and many districts are ditching Microsoft. My district has “gone Google” and it is a direction that a lot of districts or schools are headed. With the many tools available and at a much lower cost than licensing the same number of Microsoft licenses.

2 – Slides is accessible from any internet-connected device. Just like with Google Drive – Google Slides is only a login away from any where you may be in the world with an internet connection. What is nice about this is you are not tied to your device. You also don’t have to worry about formatting issues from not saving the correct files to take with you. You can leave your flash drive at home.

3 – Native YouTube embedding is simple and easy. Have you ever wanted to embed a video in a PowerPoint presentation? Ya – me too. It sucks. You have to pray that it works and download the video if it doesn’t work. With Slides – you just search for the video you want and it links directly to YouTube within the slide.

4 – You can embed, download and share the presentation with ease. Does someone still require a file in a .ppt format? You can still download the file in that format. You can download the presentation as a PDF, PNG and share the presentation with collaborators or your audience just like other Google Drive. Finally you can embed a fully functioning copy of your presentation on any website you have access to post on.

“Were these slides the visual support for a live oral presentation? If so, I sympathized with the audience. Since when can an audience read and listen to someone talk at the same time (even if they could actually see the 12-point text on the screen well enough to read it)? Were the slides used merely as a kind of document printed in PowerPoint? If so, I pitied both the author and the reader because PowerPoint is not a tool for document creation. Boxes of bullet points and logos do not make for a good handout or report.

Kiss: keep it simple stupid – keys for quality presentation design.

When you are in the actual design process of your presentation, I consistently think back to presentations that I have sat in as an audience member – both good and bad. If you look back – I am sure you can think about horrible and awesome presentations. Use these as inspiration. When I go to hear people speak – I come primed to get two pieces of information. First is the content of their presentation. Second is the delivery, design and strategies of the speaker.

A few major points to keep in mind when starting:

1 – Don’t stick to the pre-formatted templates. You can add a blank slide and different images and textboxes where ever you want. Just like with a resume – templates are all easily recognizable and boring. Jazz it up with your own layout.

2 – Limit the information on the slide to 2 – 3 key points. In presentation design – less is more. Your presentation is not meant to be a handout with every piece of information you want to give your audience (make another handout for that!). The worst presentation you can give is one where your audience can read everything you plan on saying. Limit the info on each slide to keywords, powerful images and 3 total points. Fill in the remainder of the information with your words.

3 – Pick colors like you would for your house or a car. You wouldn’t pick a black wall paint with lime green or pink accents for you living room right? Why would you do that for your presentation? Typically – a light background with darker text is going to be the easiest to read and design. When selecting a background – a texture or non-busy image is the best way to go.

4 – Fonts matter. Please do NOT use script fonts in a presentation —- ever. That said – readability is key. Both in font selection and size of the information on the slide. Depending on the room, audience members may be way in the back and reading really tiny text is frustrating. Think about your audience when designing your presentation.

Where else to look for inspiration:

There is a plethora of examples and tips available for presentation design out there on the web. Simply search for “Presentation Design Tips” or “Presentation Design Essentials”. You can also check out the image search for colors, layout, etc to use as inspiration.

Embedding a Presentation

Embedding a google slides presentation on a website is pretty simple. the only main pre-reqs are having access to the back end of the site or access to the person that does. (i have found a coffee or treat every now and again with it staff works wonders and i am always the first person to have things fixed)., when you are ready to embed your presentation – simply go to the “file” menu at the top of the screen (not your browser file menu – the google drive/slides file menu) and select “publish to the web”. a pop up will appear with an option to link, which is great for sharing with audience members, and there is another tab to embed. select embed and then setup your options correctly. you can select the size of the embed (sticking with medium is typically safe) as well as whether it should auto-advance slides. i always select no for this option. hit publish and then you will see a box with the embed code in it. you don’t need to change any of it but you do need to copy it and paste it to the html (or source) entry method on the page you want it to appear on. save that page and wa-la. it should appear and any edits you make on the slides after publishing it will be live., *freebie tip – this is the same method you can use with adding youtube pages to a website – you just need to grab the appropriate embed code from the share menu underneath a youtube video., “if you need to put eight-point or ten-point fonts up there, it’s because you do not know your material. if you start reading your material because you do not know your material, the audience is very quickly going to think that you are a bozo. they are going to say to themselves ‘this bozo is reading his slides. i can read faster than this bozo can speak. i will just read ahead.”, friends don’t let friends give lame presentations..

Only you can prevent sucky school counselor presentations. By taking these tips and sharing them with your friends and colleagues – you can save your audience from an hour or more of boredom, texting and lack of retention. I hope you take some time to look around the inter-webs at all the other great tips for developing great presentations and soon – educators won’t have to sit through boring presentations any longer. Thanks for reading!

Beloved counselor murdered in home remembered by Akron Public School District

school counselor presentation to staff

AKRON, Ohio — Family members, Akron Public School District employees and neighbors are stunned following the tragic death of Courtney Jones-Hunter, a well-respected counselor who had been with APS for three decades.

Jones-Hunter, 59, died from stab wounds to the neck, according to the Summit County Medical Examiner. Her death was ruled a homicide.

RELATED: 1 dead, 1 injured during stabbing in Akron Wednesday

Police said Jones-Hunter's 74-year-old husband was also stabbed and suffered critical injuries. He was transported to Summa Health Akron City Hospital.

Jones-Hunter's son, 40-year-old Alex Andrew, was arrested by Akron police and charged with murder and felonious assault. He was booked into the Summit County Jail.

The domestic-related violence happened around 4:40 p.m. Wednesday in the 1500 block of Bronson Road in the Goodyear Heights neighborhood.

During a rambling 15-minute phone call to police, a man who identified himself as Andrew Andrew claimed that he had been attacked in the home.

"I'm bleeding and I need help," he said. When asked where he was bleeding from, Andrew responded, "My hand."

About two minutes later on the call, he said, "They're hurt, but I'm not that hurt."

However, Captain Michael Miller said there was no evidence that Andrew was attacked.

Instead, detectives believe Andrew stabbed his mother to death and stabbed his stepfather.

"It's very devastating when this happens. It leaves a gaping hole in the hearts and minds of the people impacted by this," Miller said.

Erich Merkle, central office psychologist for APS, said Jones-Hunter was an incredibly thoughtful school counselor who worked for the district since 1994.

"Our students and our staff are likely grieving the absence of someone so dynamic," Merkle said.

Merkle added that Jones-Hunter will be celebrated for her great relationships with students and co-workers.

"Miss Jones-Hunter's legacy is her service and her commitment to her students, and a tremendous colleague and she was always there to step in," Merkle said.

Georgia Tobias, 93, who lives next door, said she was stunned by the murder. She remembered Jones-Hunter as a kind woman who came to her house for Bible study.

"I just can't imagine what they're going through because it's affecting me really bad. I feel really bad," Tobias said. "I'm just sick. I'm absolutely sick about it."

Exactly why the tragedy unfolded isn't clear. Miller said part of the investigation will focus on whether mental health issues played a role in the deadly incident.

"We would like to understand a little more as to why this happened and the detectives are going to comb through some of that," Miller said.

‘Beacon of inspiration’: Beloved Akron guidance counselor murdered; son charged

AKRON , Ohio (WJW) — Police are investigating the murder of a beloved school guidance counselor.

Akron police say Courtney Jones-Hunter, 59, and her 74-year-old husband were stabbed multiple times inside a home in the Goodyear Heights neighborhood Wednesday night.

Jones-Hunter was a guidance counselor at East Community Learning Center. She passed away from her injuries, and her husband, the suspect’s step-father, is hospitalized.

Jones-Hunter’s 40-year-old son, Alex Andrew, was taken into custody right after the incident. He faces charges of murder and felonious assault.

“It appears that the suspect assaulted the victims with a knife and later called 911 to report the incident,” Akron Cpt. Michael Miller. “Detectives are working to understand more about the circumstances that contributed to the tragedy.”

Akron City Schools issued a statement saying Jones-Hunter will be remembered as a beacon of support and inspiration.

“Courtney has left an indelible mark at APS and East; we will deeply feel this loss,” it went on to say. “During her tenure at East CLC, Courtney touched the lives of countless young scholars. She committed herself to their well-being and encouraged them always.  Courtney’s compassion and kindness resonated throughout our school community; we will remember her as a beacon of support and inspiration.”

Counselors will be available for students or staff.

Student, dentist team up for oral cancer presentation

school counselor presentation to staff

Adams School of Dentistry’s Amy Lawson, DDS ’27, and Ricardo Padilla, DDS, were recently invited to represent ASOD at the UNC Lineberger Comprehensive Cancer Center’s “ Exploring Cancer Spring Event.” The event was inspired by discussions around cancer health care disparities at a weekly collaborative seminar series with NC Central University and NC A&T and soon grew into a large-scale event.

“I was inspired by interdisciplinary collaboration and dialogue between fields such as cancer research, pharmacy, health, and speech-language pathology. This unity and shared mission to raise awareness for cancer and cancer research illustrates the importance of working together to achieve whole-patient care,” Lawson said.

school counselor presentation to staff

Lawson said Padilla helped her speak with confidence on oral cancer detection and prevention.

Lawson and Padilla put together an exhibition table for the event sharing information about oral cancer prevention, types of oral cancer, dentistry’s role in preventing/detecting/treating oral cancer, and how to apply to DDS and dental hygiene programs at UNC.

“Dr. Padilla was fantastic to work with because he challenged me to come up with the vision for the table while equipping me to make my ideas come to life. He also taught me how to instruct others in oral cancer prevention and detection,” Lawson said. “I am grateful for Dr. Padilla’s enthusiasm throughout the event. Even at the event, Dr. Padilla encouraged me to be the main speaker at our table, instilling in me the knowledge and confidence to share what I had been learning with others.”

Lawson was first inspired to learn more about oral cancers during her classes at ASOD focused on oral pathology. During her coursework and while brainstorming with other students, she learned more about head and neck cancer and how cancer treatments can often exacerbate dental problems.

“Early detection saves lives,” Lawson said. “Routine dental visits are important for the health of both the teeth and soft tissues of the mouth. I hope this project will inspire people to seek routine dental care and cancer screenings so that they can detect cancer early and therefore have better treatment outcomes.”

National Nurses Week 2024: A RN reflects on the state of the profession, calls for change

When is National Nurses Week?

National Nurses Week is observed annually May 6 through May 12.

What is National Nurses Week?

National Nurses Week grew out of a congressional resolution and proclamation signed by President Reagan in 1982 deeming May 6 as a National Recognition Day for Nurses.

The American Nurses Association board of directors expanded this to a National Nurses Week in 1990. The permanent dates for the week were designated in 1993 to be officially observed starting in 1994.

The week includes National School Nurses Day on May 8 and May 12, the birthday of Florence Nightingale, which has been celebrated as International Nurse Day since 1974.

WGS 84 coordinate reference system is the latest revision of the World Geodetic System, which is used in mapping and navigation, including GPS satellite navigation system (the Global Positioning System).

Geographic coordinates (latitude and longitude) define a position on the Earth’s surface. Coordinates are angular units. The canonical form of latitude and longitude representation uses degrees (°), minutes (′), and seconds (″). GPS systems widely use coordinates in degrees and decimal minutes, or in decimal degrees.

Latitude varies from −90° to 90°. The latitude of the Equator is 0°; the latitude of the South Pole is −90°; the latitude of the North Pole is 90°. Positive latitude values correspond to the geographic locations north of the Equator (abbrev. N). Negative latitude values correspond to the geographic locations south of the Equator (abbrev. S).

Longitude is counted from the prime meridian ( IERS Reference Meridian for WGS 84) and varies from −180° to 180°. Positive longitude values correspond to the geographic locations east of the prime meridian (abbrev. E). Negative longitude values correspond to the geographic locations west of the prime meridian (abbrev. W).

UTM or Universal Transverse Mercator coordinate system divides the Earth’s surface into 60 longitudinal zones. The coordinates of a location within each zone are defined as a planar coordinate pair related to the intersection of the equator and the zone’s central meridian, and measured in meters.

Elevation above sea level is a measure of a geographic location’s height. We are using the global digital elevation model GTOPO30 .
