Top Ten Mistakes When Writing A Cover Letter

When unemployment is high, competition for the few positions available gets fierce. This means your application has to be perfect to give you a chance at an interview. Any mistakes on your cover letter could cost you the job. Here are ten of the most common errors to avoid.

Spelling and Grammatical Errors

This is the biggest mistake anyone can make with a job application cover letter. Proofread your letter and ask a friend to do so as well. Take care over the letter.

A simple spelling mistake effectively says to the prospective employer, “I do not care about what I do, and I will be this sloppy or careless in work I will do for you too.” You certainly would not consider employing anyone who said this in an interview, so why should a prospective employer bother to interview you, if you cannot bother to double check what you wrote in your cover letter.

Starting Every Sentence with, “I”

While you want to market your skills and abilities to the prospective employer, starting every single sentence with “I can do…”, “I have done…” etc, is tedious to read and is not effective. You need to add interest to the letter by writing in a way that avoids repetition, and starting every sentence or paragraph the same way.

Try other sentence beginnings, such as, “In my role as xxx, I achieved …” or “My experience in xxx is extensive, or “With 20 years experience in xxx, I will provide your company with …”, or “This role is similar to my position at xxx.”

As well as not starting every sentence with “I” or the same style of beginning, avoid the use of “I” too many times in the letter.

Creative Desktop Publishing

This is a business letter, not a brochure. Avoid using desktop publishing programs such as Microsoft Publisher and adding clip art, effects, or fancy fonts . Choose an accepted generic font like Arial, Times New Roman, or Verdana. Keep sub-headings to a minimum and use a simple bold to accentuate the sub-headings, rather than italics or any other fancy font. The font size should be a visible 12 point.

Making the Letter Too Short

A cover letter is supposed to be a vehicle to explain to prospective employers why you should be employed and how you meet the selection criteria for the position. Simply stating, “Please find my attached CV in application for the position of Managing Director,” will not win you an interview for the job. Make sure you address the selection criteria mentioned in the job advertisement or position description. A cover letter should be one to two pages at the most, properly formatted. Writing concisely is good, but ensure you include enough detail to market yourself to a prospective employer.

The 500 Word Paragraph

Break up your paragraphs. A cover letter should not be one lengthy paragraph with a salutation at the top and a signature at the bottom. Try to address one or two selection criteria that go together in each paragraph. Each sentence should have between eight to 15 words, and each paragraph should contain two to three sentences.

Talking Nonsense or in Strange Language

No-one actually says, “Please find enclosed herewith my CV.” Although the job application is a formal document, use every day language. “My CV is attached for your information,” is fine.

Another common error is trying too hard to sound impressive, and ending up not making sense at all. Re-read your sentences and ensure you have not said something strange, or a sentence that cannot be understood by a normal business person. One teacher wrote the following in a real cover letter, “I am a conduit for mainstream educational formal connections and I work to build an individual’s creative forms.” Huh? Write in every day language to make your letter clear.

Making the Reader Squint

You know that a cover letter should never be more than two pages long, but you have so much to say that you reduce the font down to such a small size to make your letter fit. Instead of reducing the font, write your letter using concise language and use fewer words. A good cover letter should have a wide margin of two or three centimetres on both sides, and will use 12 point size font.

Using Handwriting

The only place handwriting should appear on the cover letter is your signature. Handwriting a cover letter shows a lack of interest in the position, especially in a technological era where computers are easily accessible. Borrow a computer if you have to but always type or word process your cover letter. It looks more professional. One of the worse mistakes people make is handwriting a couple of sentences on a post it note and sticking it on the resume as if it was a cover letter. Write a proper letter or don’t bother applying for the job.

Not Including All Required Details

Often job applicants forget to include all contact details on the cover letter, or assume that the resume will have these details. However, it is possible for prospective employers to separate cover letters from resumes. Therefore, you need to make sure all the details are included in the cover letter.

Cover letters should start with your contact details including your name, a full address (not a post office box as this makes it look as if you are a transient), email contact and telephone contact numbers. This should appear on the top right hand side of the page. Below this, with a line space in between, the receiver’s contact details including name, position, company name and address should appear on the left hand side of the page.

Leave a space line after the address and then insert the date, spelling out the month in full. Leave another space line before the salutation. You should include the details of the position you are applying for, in case the company is currently recruiting for several jobs. Include a handwritten signature at the bottom of the cover letter.

Justifying Right and Bad Formatting

Justifying text right means that big gaps appear in the cover letter and this makes the letter harder to read. Keep a professional appearance to the cover letter with plenty of ‘white space’. Every paragraph should be separated by a line of white space, as this makes the letter easier to read. You do not want a prospective employer deciding not to interview you, simply because your letter was too hard to read due to bad formatting. Make sure the letter looks professional.

Avoiding these ten common mistakes will help you to write a better cover letter. Proofread and double check what you are sending, before you sign the bottom of the page. Your cover letter is an important facet of the job application process and you need to spend some time and care on writing the cover letter properly.

What is a cover letter for a resume?

But aside from those more obvious things, a cover letter is also a way to showcase your communication skills and personality. A cover letter is vital for demonstrating how well you relay information in writing, making it a crucial element for positions requiring verbal and written communication skills. Your cover letter also helps employers make a hiring decision about you when they’re torn between you, and another candidate.

Do you need a cover letter?

Short answer: Yes. Even in situations where the cover letter is optional, a recent poll found that 72% of hiring managers expect a cover letter, and 77% will move your resume up a notch if you submit one. In that same poll, 83% of recruiters said a cover letter could land an interview even if the resume isn't good enough.

In short, even if your cover letter isn’t getting read, it’s positively acknowledged.

In certain situations, a cover letter is necessary. When you're applying to a specific person, use a cover letter to address them individually. Also, write a cover letter if you were referred. Use it to mention the name of the person making the referral to boost your chances of an interview, especially if that person has some clout. And, of course, include a cover letter if the job posting requires one.

Your cover letter is your personal introduction. It tells the company a little bit about you and why you're a great fit for the company. It's your first chance to make a good impression. The cover letter is also used to set one candidate apart from another in the event of two equally qualified applicants. It shows that you're willing to expend the energy to get the position … it’s worth the extra energy.

One of the better uses of a cover letter is to explain gaps or career changes in your resume. Gaps aren't definitive rejections in the hiring process, but hiring managers want to know why there's a gap, whether that's because you lost your job or decided to take time off on your own. Cover letters can also be used to explain career changes that are not obvious steps following a natural career progression. That being said, topics like resume gaps or career pivots must be addressed clearly and briefly– the longer you focus on them in a cover letter, the more you may generate concern versus comfort for the recruiter. Remember, there’s a fine line between shining a spotlight on an insecurity and simply addressing a weakness or question they may have. Plus, in the wake of the recession and pandemic, full of layoffs and change, recruiters are more forgiving on resume gaps.

What should you include in a cover letter?

Your cover letter complements your resume. It should be no more than two pages, but one page is better because research simply affirms that the second page isn’t as likely to be read... The cover letter needs to show the employer you can meet the job requirements, why you want to work at the company, and who you are. Include an anecdote about your experience that shows how you were a benefit to your previous employers. And always end your cover letter with a subtle request for an interview like, "I look forward to hearing from you" or “I’m excited to learn more about the role,” and include your contact information of course.

Do your homework before writing your cover letter (and your resume). Learn about the company where you're applying to discover whether you’re a fit for them– or they’re a fit for you. This means doing more than a 5 minute google sweep! It means examining their competition, who is in the role you’re seeking and what their linkedin says, if there’s any public announcements on the direction the company is taking, their client roster or results… and more! Analyze the job description to design your cover letter to address key components and leverage keywords. This is necessary to pass automated tracking software (ATS) used to screen applicants. Finally, identify the hard and soft skills you bring to the position so you can highlight those in the cover letter. Every cover letter needs to be tailored to the position.

Just as a good cover letter can set you apart, a bad cover letter can hurt you. Your cover letter needs to show you put in the effort. It should show the recruiter you read the job description, understand the role and how your experience aligns with the job responsibilities, and that you know a little bit about the company. That is what will set you apart from other candidates.

So, whether one is required or not, including a cover letter with your resume remains an essential element of the application packet.

When writing a cover letter (as you should do each time you submit a resume as part of a job application), the layout of your letter is very important. Layout refers to the way the words are set up on the page, including headings, spacing, and font. You want to use a layout that makes your letter both easy to read and professional.

Read below for advice about how to lay out your letter, as well as a template for a cover letter.

When laying out a cover letter, you want to follow the layout of a typical business letter.

Heading. A business letter begins with your contact information, and then the employer’s contact information, if it's available.

Letter spacing. It's important to properly space the layout of the cover letters you send, with space between the heading, the greeting, each paragraph, the closing, and your signature.  Single space  your letter and leave a space between each paragraph. Also, remember to left-justify your entire letter.

Font and font size. When selecting a font, use a  simple font  like Arial, Verdana, Courier New, or Times New Roman. Your font size should be no smaller than 10-pt. but no larger than 12-pt. In choosing your font size, 12 pt. is probably the best—you don’t want to irritate a hiring manager by making him or her have to squint to read your font.

What's Included in the Letter

The template also briefly describes what kind of content should go in each paragraph. Use this information to help you begin writing your own letter, tailored to reflect your own career history, professional qualifications, hard and soft skills , and your knowledge about the job and employer to which you are applying.

Be Flexible

When using a format or a sample letter, remember to be flexible. You can add or remove paragraphs to fit the needs of the particular job description. Your letter doesn't have to exactly match the template.

Write Customized Cover Letters

Also, keep in mind that your best strategy is to write a customized cover letter for each job to which you are applying. Hiring managers can tell when they’ve been sent a generic cover letter; they are more likely to be interested in candidates who have taken the time to write unique letters that specifically address the job opening they are offering.

Heading The  first section  of your cover letter should include information on how the employer can contact you. If you have contact information for the employer, include that. Otherwise, just list your information. This section should be single-spaced and left-justified, with a space between your contact information and your employer’s contact information.

First Paragraph:

Each of your body paragraphs should be single-spaced, with a space between each paragraph. The  first paragraph  of your cover letter should include information on the position you are applying for, including the job title. You should state how you heard about the job, and (briefly) explain why you think you are an ideal candidate for the position.

The  next section  of your cover letter should describe what you have to offer the employer. Mention why you are qualified for the job and how your skills and experience are a match for the position for which you are applying. Provide specific examples to prove your skills and experience; these examples will “pop” on the page if you provide them in a bulleted format.

Final Paragraph:  Conclude your cover letter by thanking the employer for considering you for the position. Include information on how you will follow up with them regarding the status of your application.

Should you justify the text on your CV?

There are two instances in which the word “justify” is relevant in the context of writing a CV:

  • 1) Justify the statements made on the CV: Show or prove that the statements are correct by using real-world examples to back them up.
  • 2) Text alignment justification: To improve the presentation of the text.

It is the second category which will be the focus of this article.

What is text justification?

Text justification is a form of typographic alignment which alters the presentation of sentences and paragraphs in a document.

In justified text, the written sentences are made the same length by adjusting the spacing between words in a paragraph. This will make give the written text a more structured and aligned appearance.

Some applicants prefer to justify the text of their CVs to improve their presentation and visual appeal.

To justify, or not to justify: that is the question!

We recommend that you create two different versions of your CV; one with justified text and the other with regular alignment.

Give your CV out to your friends and family and ask their opinion about which version is more visually appealing or reads better.

Based on your findings, adopt the most suitable CV format.

How to justify your CV in Microsoft Word

It is very easy to justify text in Microsoft Word or any other word processing applications:

Step 1: Highlight the paragraph that you want to justify

Step 2: Click on the “justify” option in the user interface:

Step 3: Decide on the level of justification (low, medium or high) and click on it.

The disadvantages of justifying text on your CV

Some career experts and recruiters have objected to justifying text on one’s CV, based on the following arguments:

  • Text that has been justified is more difficult to read (generally speaking)
  • Some CVs will look more “robotic” than “personal”
  • It gives the impression that you’ve printed this CV on an industrial scale!
  • Justified text may not always work when emailing the CV because this will depend on the recruiter’s browser and software compatibilities. To counter this, you could send your CV in PDF format to keep the text formatting intact.

You should also remember that paragraphs differ one from another; it may be entirely possible to have justified text which looks good and is easier to read compared to the standard format. On the other hand, you may have anaesthetically appalling paragraphs as a result of your CV justification!

Given these points, you should now be able to experiment with the text justification options and make up your own mind on which is the best thing to do. It all comes down to personal choice and preference.
