  • Prevention: Set aside time to do proper research so you can find enough sources. Start creating a list of sources as you’re researching and take good notes.   • Misplaced conjunctions It is considered poor style to place coordinating conjunctions at either end of a sentence. Placing a subordinating conjunction at the end of a sentence is against the rules.

  • Overwriting Words like "very" and "really" make sentences wordier and weaken your message. These can be deleted in almost all cases without affecting the meaning of the sentence.
  • Abstract words Abstract words lack specificity and overusing them can make even simple concepts difficult to understand. There are times when abstract words are desirable or even necessary; it would be difficult to write about math or programming without mentioning variables or functions, but you should use more specific terms whenever possible.
  • Wordy and redundant phrases These phrases make your writing more difficult to understand. In most cases, they can be replaced with one or two words, or even deleted.
  • Legalese These antiquated, arcane words and phrases will make your writing look like a contract.
  • Double negatives Double negatives are almost always poor style.
  • Adverbs They aren't bad in small quantities, but consider revising your document if more than 5.5% of its words are adverbs. Adverbs ending in "-ly" are considered the worst offenders.
  • Adjectives They aren't bad in small quantities. A few of the words on this list can also function as other parts of speech. You have been warned.
  • Contractions In formal writing, the use of contractions is considered a fault.

  • Third person pronouns According to this study , high concentrations of third person pronouns may indicate deception.
  • Bias language These words and phrases often show the author's bias.
  • Uncommon words Uncommon words will increase the document's reading difficulty.

  • Sentence fragments A sentence must have at least one noun and one verb. Anything that does not is a fragment, and if it occurs outside of dialog, it should probably be rewritten.

Proofreading is primarily about searching your writing for errors, both grammatical and typographical, before submitting your paper for an audience (a teacher, a publisher, etc.). Use this resource to help you find and fix common errors.

Proofreading can be a difficult process, especially when you’re not sure where to start or what this process entails. Think of proofreading as a process of looking for any inconsistencies and grammatical errors as well as style and spelling issues. Below are a few general strategies that can help you get started.

General Strategies Before You Proofread

  • Make sure that you leave plenty of time after you have finished your paper to walk away for a day or two, a week, or even 20 minutes. This will allow you to approach proofreading with fresh eyes.
  • Print out a hard copy. Reading from a computer screen is not the most effective way to proofread. Having a hardcopy of your paper and a pen will help you.
  • Have a list of what to look for. This will help you manage your time and not feel overwhelmed by proofreading. You can get this list from previous assignments where your instructor(s) noted common errors you make.
  • Don’t rush . Many mistakes in writing occur because we rush. Read slowly and carefully to give your eyes enough time to spot errors.
  • Read aloud to yourself. Reading a paper aloud encourages you to read each word and can help you notice small mistakes.
  • Read aloud to a friend and have the friend give you oral feedback.
  • Have a friend read your paper aloud while you don’t read along.
  • Use the search in document function of the computer to look for common errors from your list.
  • Read from the end. Read individual sentences one at a time starting from the end of the paper rather than the beginning. This forces you to pay attention to the sentence itself rather than to the ideas of the paper as a whole.
  • Role-play. While reading, put yourself in your audience's shoes. Playing the role of the reader encourages you to see the paper as your audience might.
  • Have a friend look at your paper after you have made all the corrections you identified. A new reader will be able to help you catch mistakes that you might have overlooked.
  • Make an appointment with a Writing Lab tutor if you have any further questions or want someone to teach you more about proofreading.
  • Ask your teacher to look at the areas you usually have trouble with to see if you have made any progress.

What is the difference between a proofreader and other types of editors?

A proofreader is different from other types of editors in that they don’t provide particularly in-depth feedback on your book — proofreaders swoop in at the end to tweak and polish, not to overhaul your content. However, this doesn’t make their job any less important! Typo-free text and a professional layout are non-negotiable if you want your book to be taken seriously by readers, and indeed by the industry as a whole.

Another key difference between proofreaders and, say, copy editors is that proofreaders consider the entire book, not just the body text. For example, a proofreader will cross-check chapter names and numbers in a table of contents. They’ll check the dedication page, the acknowledgements, and anywhere else that text appears.

And again, in print publishing, a proofreader will also look at purely aesthetic elements. They might fix odd spacing or remove widows and orphans (isolated lines on the page) for a more pleasant reading experience. Overall, they make sure your book presents as smoothly as possible — which is why, as an author, you never want to skip the final proof.

Is a proofreader the same thing as a line editor?

It depends on where you are. In the UK, a “line editor” does serve almost the same purpose as a proofreader. The only difference is that the line edit is performed on the manuscript document, while the proofread is undertaken on the formatted document just before it goes to press. So an author in the UK may have either a line editor look at their manuscript or a proofreader look at the final proof, but usually not both.

In the US and Canada, however, line editing is typically used to describe a mix between content and developmental editing — in which the primary concern is the creative substance and style. Other times it describes a slightly more detailed version of copy editing.

She used Grammarly to proofread her paper. Now she's accused of 'unintentionally cheating.'

Whatever my school's rule is on artificial intelligence, i will abide by it. but the concern over grammarly makes me think of the debate over calculator use in schools from the 1970s..

Grammarly , the company that provides the eponymous grammar and syntax program, recently announced that it’s getting smarter and now offers “strategic suggestions” for its  30 million users . It might not be an innovation that helps the company.

As Grammarly gains more generative capabilities, its usefulness for students declines because it will place them at risk for unnecessary academic discipline. 

In a story that’s gone viral, University of North Georgia student Marley Stevens ended up on academic probation for using Grammarly on her criminal justice essay. Stevens said her professor accused her of “unintentionally cheating” on her academic work because she used the program to proofread her paper.

Stevens received a zero for the assignment, which she said put her scholarship at risk. Under Stevens’ TikTok video , comments indicated that she’s not the only student who’s been penalized for Grammarly use. 

Stevens’ case shows the murkier world of using artificial intelligence in schools – using it as an aid, a resource, rather than a replacement for one’s work. Until now, discussions of AI’s use in academics focused on its potential for plagiarism, the act of simply representing an AI product as one’s own work, which is admittedly indefensible.  Researchers from Stanford University say that concern is overblown. 

At my school, Deerfield Academy in Massachusetts, the use of generative AI is prohibited .

What's considered cheating may depend on your school

Grammarly hasn’t been necessarily generative in the ways we think of that type of intelligence; it couldn’t write a student’s essay like ChatGPT can. But now the “ strategic suggestions ” make the program more generative in nature – and more likely to fall under general AI bans. 

Here’s the rub, though: Many schools encourage and even pay for students to use Grammarly. It's expressly promoted in at least 3,000 educational institutions that have signed up for institutional accounts, according to Grammarly .

In Stevens’ case, the University of North Georgia promoted Grammarly on its website then removed it , then placed it on its website again.

While individual schools should be allowed to create their own policies, we are headed for a situation where what’s considered cheating is allowed at one school and not at another. Or in one course and not another.

That’s a problem because academic integrity is universal. Or at least it’s supposed to be. 

Whatever the rule is on using Grammarly, I will abide by it, but I notice that the concern over the type of assistance Grammarly provides hearkens back to the debate over calculator use in schools.

How is Grammarly different from a calculator – or autocorrect?

Back in the 1970s, some educators and parents worried that calculators might supplant math lessons . Research shows that they never did. It took 50 years, but with calculators now required in some courses and tests, we know that assistive technology doesn’t necessarily replace basic lessons – or do our work for us. 

We now prioritize agility of thought and creativity over memorization; that’s why some schools rid themselves of  spelling tests  in favor of critical thinking. 

Will my student loan be forgiven? Prepare for disappointment and hardship. Grace period for repayments expires in September.

If anything, these devices and programs allow deeper learning, mostly because they’re used by students who are well past the age of initial math functions and grammar lessons. If anything, Grammarly is a refresher on grammar lessons of years past. 

Technically, autocorrect is a form of AI , but holding its use against a student whose typos were fixed would be overkill and defeat the purpose of these programs, which were created to meet the needs of education’s evolution. 

Whether using Grammarly constitutes cheating is a multibillion dollar question that remains unanswered; it's an ethical question that intersects with school finance. Use of Grammarly might cause students to lose scholarships, and schools don’t refund tuition if a student is expelled and that student may owe student loans. On top of that are the opportunity costs of being accused of cheating.

Marley Stevens’ fight wages on, but Grammarly donated $4,000 to her GoFundMe to assist her education. 

Beyond Stevens’ case, though, technology companies that provide programs to students need to consider how making their products more generative will create more problems for students who use them. And teachers and schools that ban these programs need to consider what kind of learning they want from students.  

Ultimately – in all areas, not just education – AI is a case of making sure our technology does not outpace our integrity or call into question honest work. Otherwise, we all may be cheating. Or worse, not learning as much as we can.

The four stages of editing and proofreading

Do i need to go through every stage.

It depends on the type and length of text. You don’t need to strictly follow the division of tasks shown above, but a good piece of writing will nearly always go through a similar process of revising, editing and proofreading.

In the traditional publishing process, the stages are clearly divided, with different professionals responsible for each revision. A separate proofread of the final print version is necessary, especially because new typographical errors can be introduced during production.

However, in texts that don’t need to be formatted for mass printing, there is often more overlap between the steps. Some editorial services combine copy editing and proofreading into a single stage (sometimes called proof-editing), where grammar, syntax and style are addressed at the same time as minor spelling and punctuation errors (e.g., commas , quotation marks and parentheses ).

Basic proofreading skills are important for anyone who writes. For everyday texts, such as business reports, blogs, or college papers, there are some techniques you can use to proofread efficiently and effectively before sharing your work.

Edit your writing first

Before you get to the final stage of proofreading, make sure you’ve thoroughly revised and edited your work. There’s no point spending time fixing minor errors if you might later remove whole sections or rewrite paragraphs. Only proofread once you’ve got a completed final draft that you’re happy with.

Take a break from the text

When you’ve been reading and rereading the same words for hours or days, it becomes much harder to notice common mistakes . Before proofreading, set your work aside for a while so that you can look at it with fresh eyes.

Ideally you should wait at least a day or two before final proofreading, but if you’re on a tight deadline, even a half hour break can help.

Proofread a printout

Seeing your words on a printed page is another useful strategy for noticing things that might have escaped your attention on the screen. If the final version will be printed, this is also a good chance to check your formatting is correct and consistent on the page.

Use digital shortcuts

While reading from print can help you spot errors, an online proofreader can help you fix them efficiently. Most obviously, run a spell check—but don’t rely on the computer to catch every mistake.

If you notice that you’ve repeatedly misspelled a particular word, inconsistently capitalized a term, or switched between UK and US English , you can use the Find and Replace function to fix the same mistake throughout the document.

Do you only need proofreading or also editing?

It’s important to have a clear idea of how much work your text requires. People often think they only need proofreading when, in reality, the text would benefit from some level of editing as well.

If you send a proofreader a document full of grammar mistakes, confusing sentences, and difficult-to-follow paragraphs, they might decline the job or recommend a different service.

Many freelancers and companies offer both editing and proofreading, either separately (with separate pricing) or combined into one service. Make sure you understand exactly what kind of changes are included. Will the editor only correct minor errors, or will they also comment on awkward phrasings and structural issues?
