If you're about to complete, or have ever completed a graduate degree, you have most likely come across the term "thesis defense." In many countries, to finish a graduate degree, you have to write a thesis .

A thesis is a large paper, or multi-chapter work, based on a topic relating to your field of study.

Once you hand in your thesis, you will be assigned a date to defend your work. Your thesis defense meeting usually consists of you and a committee of two or more professors working in your program. It may also include other people, like professionals from other colleges or those who are working in your field.

During your thesis defense, you will be asked questions about your work. The main purpose of your thesis defense is for the committee to make sure that you actually understand your field and focus area.

The questions are usually open-ended and require the student to think critically about their work. By the time of your thesis defense, your paper has already been evaluated. The questions asked are not designed so that you actually have to aggressively "defend" your work; often, your thesis defense is more of a formality required so that you can get your degree.

How long your oral thesis defense is depends largely on the institution and requirements of your degree. It is best to consult your department or institution about this. In general, a thesis defense may take only 20 minutes, but it may also take two hours or more. The length also depends on how much time is allocated to the presentation and questioning part.

Tip: Check with your department or institution as soon as possible to determine the approved length for a thesis defense.

First of all, be aware that a thesis defense varies from country to country. This is just a general overview, but a thesis defense can take many different formats. Some are closed, others are public defenses. Some take place with two committee members, some with more examiners.

The same goes for the length of your thesis defense, as mentioned above. The most important first step for you is to clarify with your department what the structure of your thesis defense will look like. In general, your thesis defense will include:

  • your presentation of around 20-30 minutes
  • questions from the committee
  • questions from the audience (if the defense is public and the department allows it)

You might have to give a presentation, often with Powerpoint, Google slides, or Keynote slides. Make sure to prepare an appropriate amount of slides. A general rule is to use about 10 slides for a 20-minute presentation.

But that also depends on your specific topic and the way you present. The good news is that there will be plenty of time ahead of your thesis defense to prepare your slides and practice your presentation alone and in front of friends or family.

You can prepare your slides by using information from your thesis' first chapter (the overview of your thesis) as a framework or outline. Substantive information in your thesis should correspond with your slides.

The committee will ask questions about your work after you finish your presentation. The questions will most likely be about the core content of your thesis, such as what you learned from the study you conducted. They may also ask you to summarize certain findings and to discuss how your work will contribute to the existing body of knowledge.

While you are preparing, you can create a list of possible questions and try to answer them. You can foresee many of the questions you will get by simply spending some time rereading your thesis.

Here are a few tips on how to prepare for your thesis defense:

You can absolutely prepare for most of the questions you will be asked. Read through your thesis and while you're reading it, create a list of possible questions. In addition, since you will know who will be on the committee, look at the academic expertise of the committee members. In what areas would they most likely be focused?

If possible, sit at other thesis defenses with these committee members to get a feel for how they ask and what they ask. As a graduate student, you should generally be adept at anticipating test questions, so use this advantage to gather as much information as possible before your thesis defense meeting.

Your thesis defense is a formal event, often the entire department or university is invited to participate. It signals a critical rite of passage for graduate students and faculty who have supported them throughout a long and challenging process.

While most universities don't have specific rules on how to dress for that event, do regard it with dignity and respect. This one might be a no-brainer, but know that you should dress as if you were on a job interview or delivering a paper at a conference.

It might help you deal with your stress before your thesis defense to entrust someone with the smaller but important responsibilities of your defense well ahead of schedule. This trusted person could be responsible for:

  • preparing the room of the day of defense
  • setting up equipment for the presentation
  • preparing and distributing handouts

Technology is unpredictable. Life is too. There are no guarantees that your Powerpoint presentation will work at all or look the way it is supposed to on the big screen. We've all been there. Make sure to have a plan B for these situations. Handouts can help when technology fails, and an additional clean shirt can save the day if you have a spill.

One of the scariest aspects of the defense is the possibility of being asked a question you can't answer. While you can prepare for some questions, you can never know exactly what the committee will ask.

There will always be gaps in your knowledge. But your thesis defense is not about being perfect and knowing everything, it's about how you deal with challenging situations. You are not expected to know everything.

James Hayton writes on his blog that examiners will sometimes even ask questions they don't know the answer to, out of curiosity, or because they want to see how you think. While it is ok sometimes to just say "I don't know", he advises to try something like "I don't know, but I would think [...] because of x and y, but you would need to do [...] in order to find out.” This shows that you have the ability to think as an academic.

You will be nervous. But your examiners will expect you to be nervous. Being well prepared can help minimize your stress, but do know that your examiners have seen this many times before and are willing to help, by repeating questions, for example. Dora Farkas at finishyourthesis.com notes that it’s a myth that thesis committees are out to get you.

Two common symptoms of being nervous are talking really fast and nervous laughs. Try to slow yourself down and take a deep breath. Remember what feels like hours to you are just a few seconds in real life.

  • Try meditational breathing right before your defense.
  • Get plenty of exercise and sleep in the weeks prior to your defense.
  • Have your clothes or other items you need ready to go the night before.
  • During your defense, allow yourself to process each question before answering.
  • Go to dinner with friends and family, or to a fun activity like mini-golf, after your defense.

Allow yourself to process each question, respond to it, and stop talking once you have responded. While a smile can often help dissolve a difficult situation, remember that nervous laughs can be irritating for your audience.

We all make mistakes and your thesis defense will not be perfect. However, careful preparation, mindfulness, and confidence can help you feel less stressful both before, and during, your defense.

Finally, consider planning something fun that you can look forward to after your defense.

The dissertation is the centerpiece of a graduate student's career at the doctoral level. It is a demonstration of a doctoral student's ability to conduct and present research with the skills necessary to contribute to scientific knowledge. As a result, the dissertation defense (sometimes called a thesis defense in non-American contexts) is the main opportunity for doctoral students to demonstrate they can contribute to scholarly discussion.

Many graduate students think of the dissertation defense as a final examination or a job interview. It is often a key final step to complete the doctoral degree.

Graduate studies are the venue in which students build expertise in a particular field and focus area. There are different kinds of graduate degrees, but what separates the doctoral journey from all others at this level is one's ability to generate or discover new knowledge through research. Mastery of trivia or encyclopedic knowledge is far less important to doctoral studies than a systematic organization of that knowledge through established research methodologies .

Requirements for a doctoral degree will vary depending on the institution and the program and may include coursework, comprehensive examinations, research experience, and an established record of research publication . The research in a dissertation is deemed credible and worthy of being considered scientific knowledge when a university approves it and adds it to its repository, which is made available to all of its members so they can, in turn, conduct research and generate knowledge. However, this approval comes after a lengthy process that involves assembling members of the academic community together to review and develop research.

To be sure, the main objective of dissertation research is to present new knowledge, but the manner in which students conduct that research should also illustrate their understanding of how to generate insights rigorously, ethically, and in collaboration with others. As a result, doctoral programs, while varying with each other on some level, share a number of core characteristics outlining a long-established process of facilitating dissertation research.

Dissertation committee

A dissertation requires an audience of knowledgeable academic scholars who can comment on and critique the research. A committee made up of faculty members internal or external to the student's university fulfills this role by guiding the research, providing feedback, and asking questions about the resulting dissertation. Is the research that the student has produced "state of the art"? Does it meet reasonable standards of research rigor and transparency? Will the research make a valuable contribution to future academic discussions or practical developments outside of the academy?

It's the job of dissertation committee members to help develop and critique the research. Through this process, graduate students can refine their research design and attain guidance on key theories and methodologies . In turn, committee members gain insight from fresh perspectives on the graduate student's research.

The main committee member is your dissertation chair, which might be your supervisor or a committee member who is most knowledgeable about the research you want to conduct for your dissertation. Beyond that, a good committee member is an established scholar who can provide useful insight about the research context, the issues or theories currently being discussed within the research context, and the methods used to further develop those theories.

Oftentimes, students rely on a faculty member whose classes they have taken to serve as committee members. Students might also identify potential external committee members in academic conferences or by asking for recommendations from their professors.

Designing a robust and rigorous study often requires discussion among colleagues within academia so that research methods can be refined before all the data is collected and analyzed.

The oral defense of your dissertation synthesizes every step of the research process you have undertaken for your research project. It's best to look at it like an opportunity to show off your expertise about the research in your field and, more importantly, your methodological process for developing your original research.

What is the role of a defense?

The defense is the main forum in which you share your research with the larger academic community. Some think of it like a job interview or a test where the committee members assess the worthiness of the research and the student who conducted it. Others consider a defense to be more of a coming out party, a critical event where the student is elevated from a novice scholar to an established expert in their chosen research field.

However it is interpreted, the dissertation defense is a critical event in a graduate student's career. In a successful defense, the doctoral candidate is no longer a newcomer but a scholar who understands the intricacies of academic research and can contribute to it in a substantive manner.

Is a dissertation defense just a formality?

If you are well-prepared and your research is robust and rigorous, you should have no problems passing your oral defense. That said, it is by no means "just" a formality. A graduate student who wants to demonstrate expertise should be prepared enough to anticipate and answer questions from the committee that might otherwise stump or confuse a layperson.

While defenses will differ depending by program and institution, there are a couple of common elements.

First, the doctoral candidate presents their research in a short presentation or lecture. While your committee is already familiar with your research, many defenses are open to the entire academic community who may be interested in your field but may not have the necessary context to understand your research. That discussion, mainly moderated by your dissertation chair and involving all committee members, serves as the central portion of the defense. Preparing your dissertation

At this point, the dissertation should be as close to polished as you can make it, but keep in mind you may still receive substantive feedback from your committee members. Presenting your dissertation

The dissertation defense typically begins with the student presenting themselves and their research. In many cases, this presentation is similar to those found at conferences or workshops, where the presenter needs to demonstrate that they can showcase their research in a succinct and accessible manner. After all, the audience at a defense will often include members of the academic community who may have a general interest in the research but not a deep familiarity with the specifics of the research.

The presentation itself should be detailed enough to lay out the most important points of the research but within a reasonable amount of time. This presentation lays the groundwork for the ensuing discussion with the rest of the academic community. The dissertation committee or program will often prescribe a set time limit for this presentation; it would be a mistake not to consider this time limit when making your presentation. An overly lengthy presentation or a presenter who meanders with no clear direction will be less persuasive and will not garner the interest of the audience. More importantly, successful time management during the presentation leaves more time for your committee to more thoroughly engage with the research through questions and answers.

Dissertation defense questions make up the primary part of the discussion. This is the main opportunity for members of your committee to point out the novel aspects of your research as well as critique any weak points that should be addressed in revisions to your dissertation.

Ultimately, a successful defense will result in lively discussion among dissertation committee members. A dissertation committee will often look highly on research that engages their thinking and expertise, meaning that novel insights will prove incredibly valuable to a defense.

You may get a question from a committee member to which you may not readily have an answer. After all, it's impossible to anticipate every possible question posed within two hours of scholarly discussion. In the case where a question is truly outside of your knowledge, it's important to acknowledge this and at least explain your thinking about how you would address the question to get a meaningful answer. In other words, it's not always about giving the "correct" answer to all questions asked but demonstrating your ability to reflect and engage in scholarly discussion around your research.

Keep in mind that the defense itself is not the end of the doctoral journey. More often than not, the dissertation committee will accept the dissertation on the condition that revisions will be made based on the committee members' feedback. Even the most successful defense will likely require the doctoral student to make revisions to their dissertation.

In many cases, revisions to the dissertation can be more challenging than the dissertation defense itself. Up until this point, your advisor or dissertation chair was likely the main source of feedback on your dissertation research. After your defense, you will have gained a great deal of rich feedback that you can constructively build on to further hone your dissertation as you move forward in publishing and sharing your research.

Before you can start your thesis you must:

  • Complete all courses, exams, and research requirements
  • Meet with your advisory committee to ensure that everyone agrees that the work is ready to defend
  • Decide on a date for the defense
  • Inform your graduate administrator that you have started the process to prepare for your defense

A chair is appointed for each PhD oral defense to monitor and promote fairness and rigor in the conduct of the defense. To help eliminate pre-established judgments on the candidate’s work, the chair should be from a different program/department than the student. For more information about chair responsibilities, read the instructions for the chair .

You must identify a faculty member to serve as chair for your defense. The chair must be:

  • A current full-time faculty member at assistant professor rank or higher
  • Outside the department offering the degree program, or outside your advisor's department (interdisciplinary degree programs only)
  • Someone who has not had prior involvement in your research

The selection of the chair is subject to the approval of the department/program, th Arts, Sciences and Engineering dean of graduate education and postdoctoral affairs, and the University dean of graduate studies.

The chair must be physically present during the entire defense, including the public oral presentation (if applicable) and the questioning session. The chair is welcome to read and comment on the dissertation and/or the defense presentation, but this is not required. The chair does not need to be an expert in your research area.

It is your responsibility to get a copy of the final dissertation to the chair at least one week prior to the defense.

You should begin scheduling the actual defense date three months in advance to ensure that your advisor, committee members, and chair are able to be present and that rooms are available on the date and time selected.  

Defenses can be held on any day the University’s Graduate Studies Office is open (not weekends, evenings, holidays, or the days between Christmas and New Year’s). Check the  academic calendar  for important dates and deadlines.

Use the  PhD calendar  to determine the deadline dates for getting your paperwork to the Office of Graduate Education and Postdoctoral Affairs and department committee.

When all committee members and your chair agree to a specific date and time for the defense, inform your graduate administrator as soon as you possibly can, but no later than six weeks prior to your defense date . Your graduate administrator will advise you of any program-specific requirements for the defense as well as work with you to prepare for your thesis defense. They will also help you determine who will schedule the room for your thesis defense.

You should provide your committee members at least two weeks to read and comment on your dissertation before the date you need to register your dissertation.

Participating Via Video Conferencing

While you, your advisor, and the chair must all be physically present in the room for the defense, other committee members are allowed to participate in the defense remotely via Skype or other video conferencing technology so long as all committee members agree to the arrangement. This must also be approved by the AS&E dean of graduate education and postdoctoral affairs and the University dean of graduate studies before the dissertation is registered for defense.

Someone other than you and your committee must handle the IT setup and be on standby for any problems. If anyone involved finds that remote participation is interfering with the defense, he or she can request that the defense be rescheduled.

We strongly recommend that international students meet with an  International Services Office (ISO)  representative as soon as permission to start writing is granted. The ISO will provide information on visa options, documentation, and timelines for applying for a visa for employment in the United States.

You will register for one of the following categories while preparing your defense:

  • 999: Dissertation —Indicates the PhD student has completed all of the requirements for the degree except the dissertation and is in residence as a full-time student
  • 995 : Continuation of Enrollment —Indicates the PhD student has completed all of the requirements for the degree except the dissertation and is not in residence as a full-time student

The Preparing Your Doctoral Dissertation manual is a great resource to help you bring your dissertation up to the required standard of organization, appearance, and format for the University of Rochester. Before preparing the defense copy of your dissertation, check the contents of the manual carefully to help avoid mistakes that can be time-consuming and costly to correct.

Before beginning your dissertation, you should consult with your advisor for your department or program’s preferred style guide (APA, MLA, Chicago).

Including material produced by other authors in your dissertation can serve a legitimate research purpose, but you want to avoid copyright infringement in the process. For detailed instructions on avoiding copyright infringement, please see ProQuest’s  Copyright Guide .

The University requires that you provide copies of the dissertation to your committee members and exam chair. You should check with your committee members to see if they prefer printed or electronic copies (or both). Printed copies do not need to be printed on heavyweight, expensive paper unless there is the need to do so for figures and images. 

Printing and binding a dissertation can be expensive. You can use the Copy Center or FedEx Office to print and bind your dissertation.

In order to register your dissertation, you or your graduate administrator will need to create a record on the Graduate Studies PhD Completion website . This record will include:

  • Degree information
  • Past degrees
  • Contact information
  • The defense version of your dissertation as a PDF
  • Other relevant documents

The version of your dissertation attached to your online record is considered the registration copy.

When your PhD completion record is finalized, committee members will receive emails with links to access your record and approve your dissertation to progress to defense. You’ll need to provide copies of the dissertation identical to the registration copy to all members of your committee, including the chair, at least two weeks before the record is finalized. Everyone but the chair is required to comment or sign off on the dissertation before it is submitted.

There may be deadlines for registering your dissertation specific to your program. Consult with your graduate administrator to ascertain those deadlines and follow them carefully.

After all committee members have provided their approval, your thesis will be reviewed by your faculty director/department chair, the AS&E dean of graduate education and postdoctoral affairs, and the office of the University dean of graduate studies. When all of these officials have approved your committee and dissertation for defense, your dissertation is considered registered. You will be able to track these approvals in your online record and will receive a confirmation email when approvals are complete.

The GEPA Office and the AS&E dean of graduate education and postdoctoral affairs, as well as the University Graduate Studies Office, may make corrections to the PDF of your dissertation. This annotated copy of your dissertation, along with the original version, will be stored in the PhD completion website. You are not allow to distribute updated versions of your dissertation prior to the defense, but be sure to incorporate any corrections before uploading your final dissertation to ProQuest®. 

After the defense, if the committee has required major revisions to be approved by one or more of its members, it is your responsibility to provide them with the corrected final version for their approval.  They will be asked to submit written confirmation of that approval to the University Graduate Studies Office. Failure to do so could delay conferral of your degree.

After the defense, you will receive additional instructions by email for completion of all PhD degree requirements.

It is important to walk into the defense knowing that your committee wants you to pass. Even if criticism is harsh, it is meant to be constructive. The defense is not solely an opportunity for the committee to compliment and congratulate you for the work you have done. It is also meant to challenge you and force you to consider tough questions.

The Defense

The best way to prepare for your defense is to regularly attend the defenses of your colleagues throughout your graduate program, not just several weeks prior to your own defense.

You can also talk to people in your department who already defended to find out what their defenses were like. You should also speak with your advisor to get a sense of his/her specific expectations of a defense.

Guidelines for Presentations

You should prepare a presentation of the research that comprises the thesis. Your slides should encapsulate the work and focus on its most salient contributions. In preparing, ask yourself these questions: “What do I want people to know about my thesis? What is the most important information that I can present and talk about?”

Here are some basic tips:

  • Use text large enough to be read by the audience (especially text from figures)
  • Ensure graphics and tables are clear
  • Don’t clutter your slides—if necessary, have things come up on mouse clicks
  • Use spell check and proofread your slides
  • Practice your presentation with your peers
  • Work on pronunciation, if required
  • Time your presentation to ensure it will fit the allotted time while allowing time for questions

If your defense includes a public lecture, we recommended that you do a trial run a day or two before in the room that has been booked for your lecture. This will allow you to familiarize yourself with the space and the equipment and to address any problems that arise during the trial run. 

Plan your public lecture to allow enough time for questions. Present enough information so that the audience understands what you did, why you did it, what the implications are, and what your suggestions are for future research.

Friends and family are welcome to attend your public lecture. Faculty and students in the audience are given the opportunity to ask questions.

Plan to dress professionally for the defense in the same way you would if presenting a paper at a conference or for a job interview. You will be standing for a long time on the day of your defense. You might want to keep this in mind when selecting the shoes you will wear for your defense.

Essentials for your public lecture include:

  • Your presentation
  • A laser pointer
  • A copy of your dissertation
  • A pen or pencil
  • A bottle of water 

You will be asked to leave the room while your committee reviews your program of study, and decides whether:

  • The thesis is acceptable/not acceptable
  • Whether members will ask sequential questions or whether each member will be allotted a specific time period for questioning

The person to start the questioning is designated. You will be called back into the examining room and questioning will begin. After all questions have been addressed, you will be asked to leave the room while your committee decides the outcome of the exam. You will be asked to return to the room to be informed of the outcome by the chair of your exam committee.

  • Listen  to the entire question no matter how long it takes the faculty member or student to ask it (take notes if necessary).
  • Pause and think  about the question before answering.
  • Rephrase  the question.
  • Answer  the question to the best of your ability; if you do not know the answer, remain calm and say so in a professional way.
  • Remember  that no one will know the ins and outs of the thesis and your research materials as well as you.  You  are the foremost expert in the thesis topic and  YOU know the research involved. Be positive!

Possible outcomes include:

  • Acceptable with minor or no revisions (no further approval required)
  • Acceptable with major revisions in content or format (in this case, one or more committee members must be responsible for overseeing and approving the major revisions before the final copies are submitted)
  • Not acceptable

After the Defense

You can submit the final corrected copies of your dissertation as soon as you address any remaining comments that were brought up during the defense or noted in the registration copy of your dissertation, which will be returned to you usually within a few days before or after the defense. You can take up to one semester following the defense to address any comments, during which you can remain a full-time student. Your degree conferral date will depend on when you submit the final corrected copies of your dissertation.

The day after your defense, you will receive an email from the University dean of graduate studies that provides instructions on how to:

  • Submit the final corrected copies of your dissertation through ProQuest
  • Provide authorization for the release of your dissertation through UR Research
  • Complete a mandatory online exit survey
  • Verify to the University dean of graduate studies’ office that the dissertation has been submitted

The University of Rochester requires all doctoral candidates to deposit their dissertations for publication with ProQuest Dissertation Publishing and with the University libraries. Hard copies are not required. The library receives an electronic copy of the dissertation from ProQuest, but students must give the University permission to obtain it.

Thesis Defense

This is a comprehensive guide, written specifically for SMD graduate students. The guide covers everything from before the defense, to the defense itself, to after the defense, providing information about the process, outlining requirements and offering useful tips. Before Defense

Get permission to start writing.

After completing all course, seminar, TA, publication and research requirements for your program of study, there are many things that must be done before a thesis defense can occur. Most importantly, you must meet with your advisory committee at least 6 months before you intend to defend your thesis. Your advisor and committee need to agree to your intentions to conclude experiments and data collection and begin writing. Once you get the go-ahead to start writing your thesis, you will need to decide on a date by which the defense should occur. You will also need to inform your program director and graduate program coordinator that you have started the process to defend.

Chair for Your Defense

A Chair is appointed for each PhD oral defense exam to monitor and promote fairness and rigor in the conduct of the defense. The Chair’s status as a nonmember of the advisor’s and student’s working group, program, or department enables distance from previously established judgments on the candidate’s work.

At least 4 months prior to your defense, your program director (with input from you and your advisor) will identify 3 individuals to serve as Chair for your defense. These individuals must be current full-time tenure-track faculty members at assistant professor rank or higher from outside the department offering the degree program or not a core member of the interdisciplinary degree program faculty.  

The suggested faculty are submitted to the Senior Associate Dean for Graduate Education and Postdoctoral Affairs via a Request for PhD Defense Chairperson Form along with an abstract of your work and your Program of Study form ( Biomedical or Health Sciences ), which your graduate program coordinators will prepare for you. The Senior Associate Dean reviews and selects the chair from the list of nominees.  Notice of the appointment is provided via email to the Chair, the student, the advisor, the program director and the graduate program coordinator. You must include the appointed Chair in planning for specific dates and times for your defense.

Selecting a Defense Date

If all goes as planned and you have made sufficient progress in your writing, schedule the actual defense date at least three months in advance to ensure that your advisor, all committee members and your appointed Chair are able to be present at your defense and that rooms are available on the date and time selected.

The academic calendar includes important dates for defense for each semester of the academic year. When you begin thinking about defending, check the academic calendar for deadlines and blackout dates (periods of time when defenses are not permitted). This will make identifying possible dates for defense a lot easier for you, your committee members and your Chair.

When all members of your committee and your Chair agree to a specific date and time for defense, inform your graduate program coordinator of the scheduled defense date as soon as you possibly can but no later than 8 weeks prior to your defense date. They will advise you of any program-specific requirements for the defense as well as prepare your Program Statement on Completion of PhD Requirements . This form requires your program director’s signature. Check with your graduate program coordinator to determine if you or they will obtain the signature for your form. Once approved and signed, this form along with others will be scanned and submitted via an online thesis registration system along with a pdf of your thesis and an Exit Interview Form and your CV/Resume.

International Students and Work Visas

It is strongly recommend that international students meet with an International Services Office rep as soon as permission to start writing is granted.  The ISO will provide information on visa options, documentation and timelines for applying for a visa for employment in the US.

Registration Categories for Defense

In your final semester (the semester in which you defend), you will register for a placeholder registration category rather than PhD Research. The categories are:

“Dissertation” non-credit bearing registration category that indicates the PhD student has completed all of the requirements for the degree except the dissertation and is in residence as a full-time student.  

  • You must be in residence full-time and planning for a defense in the upcoming semester.  If a defense does not occur, the Registrar will change your registration for the semester to reflect credit hours. 
  • You are eligible for student health insurance, loan deferments, and University housing, but not eligible for financial aid in the form of student loans.  

"Continuation of Enrollment” non-credit bearing registration category that indicates the PhD student has completed all of the requirements for the degree except the dissertation and is not in residence as a full-time student. When registered for Continuation of Enrollment, your time status is less than half time.

  • Appropriate for the student who has left the University prior to completion for a job or personal reasons but has a defense planned during the upcoming semester.  
  • Requires permission of the advisor, the program director, and the Dean.
  • You are not eligible for student health insurance, loan deferments, University housing, or financial aid in the form of student loans.

The University of Rochester offers this manual to graduate students and it is meant to help you to bring your thesis up to the required standard of organization, appearance, and format for the University of Rochester. Before preparing the defense copy of your thesis, check the contents of the manual systematically. SMD Guidelines for the Content of a PhD Thesis

The School of Medicine and Dentistry offers this manual to graduate students in the basic sciences , Epidemiology , Health Services Research and Policy , and Statistics programs.  These guides focus on how a thesis should be structured for writing and for the content that comprises a well-written thesis. They are meant to be a supplement to the general guidelines of the University of Rochester for preparation of a thesis (The Preparation of Doctoral Theses:  A Manual for Graduate Students).

Statistics students should consult their program director for thesis requirements specific to the discipline. In the event you need assistance in writing your thesis, a Life Sciences Writing Specialist is available to work with you.

Rooms for Your Defense

Two rooms must be reserved: the first for your oral presentation and the second for your closed exam. Most often, the oral presentation is held in an auditorium and the closed exam is held in a departmental conference room. Check with your graduate program coordinator to determine if you or she will schedule rooms for your thesis defense.

Registering Your Thesis for the Final Oral Exam

You, your graduate program coordinator, or both of you together, will create your record in the University of Rochester Graduate Studies PhD Completion website . This record will include your degree information, past degrees, important contact information, and attachments including the defense version of your thesis in pdf format, and other relevant documents. The version of your thesis submitted to your online record is considered the registration copy. “Registering” simply means that you have presented a thesis, which you intend to defend, to the Dean of your School and to the University Dean that governs all doctoral candidates.

When the PhD Completion record is finalized (submitted) by your graduate program coordinator, your advisor and committee members will receive emails with links to access your record and to approve your thesis to progress to defense. Well before the online record is submitted, you must provide copies of the thesis identical to the registration copy to all members of your committee, as well as to your appointed Chair. Please consult with them for their preferred format. Some will accept a pdf and others will request a hard copy. Each of these individuals must have possession of your thesis for a minimum of two weeks before they are asked to sign off on the readiness of the work for defense. There may be deadlines for registering your thesis specific to your graduate program. Consult with your graduate program coordinator to ascertain those deadlines and follow them carefully. Please plan the completion of your degree by following your program’s deadlines in tandem with the academic calendar.

After all committee members have given approval, your program director, and the Registrar, will approve the thesis for registration using the same online system. Then, requests for review and approval will go to the Senior Associate Dean for Graduate Education and Postdoctoral Affairs and then to the office of the University Dean of Graduate Studies. When all of these officials have approved your committee and thesis for defense, it is considered registered. You will be able to track these approvals in your online record and will receive a confirmation email when approvals are complete.

Comments indicating required corrections to your thesis may be made by your advisor, committee members and the Deans along the way of the approval process. This annotated copy of the thesis, along with the original version, will be stored in the PhD Completion website for you to reference at the conclusion of your defense. You are not permitted to distribute updated versions prior to the defense, but be sure to incorporate any corrections in the final copy after the defense before uploading it to ProQuest®.

After the defense, if the committee required major revisions to be approved by one or more of its members, it is your responsibility to provide the corrected final version for their approval. They will be asked to submit written confirmation of that approval to University Graduate Studies. Failure to do so could delay conferral of your degree.

After the defense, you will receive additional instructions by email for completion of all PhD degree requirements.

The Defense

It is important to walk into the defense knowing that your Committee really WANTS you to pass. Even if criticism is harsh, it is meant to be constructive. After all, the defense is not solely an opportunity for the Committee to compliment and congratulate you for the work you have done. It is also meant to challenge you and force you to consider tough questions.

Below you will find suggestions to help you get ready for the defense and information to give you a sense of what to expect:

Know the Rituals

What happens at a thesis defense? The best way to know what happens and the best way for you to prepare for your defense is to regularly attend the defenses of your colleagues—those internal and external to your field of expertise. You should be doing this throughout your graduate program, not just several weeks prior to your own defense.

Talk to people from your lab and in your department who already defended to find out what their defense was like. They know well what occurs in the closed exam and will likely want to share their experiences with you. You should also speak with your advisor to get a sense of his/her specific expectations of a defense. Don’t be afraid to ask!

Guidelines for Presentations

Use powerpoint.

PowerPoint is a professional approach to presenting the research that comprises the thesis. Your slides should encapsulate the study and focus on its most salient findings. In preparing, ask yourself these questions: “What do I want people to know about my thesis? What is the most important information that I can present and talk about?” Keep in mind the rules of chartsmanship and create a goal-oriented presentation that navigates attendees through a logical, point-by-point sequence of information that builds to the conclusion in a clear and focused direction.

  • Use text large enough to be readable (especially text from figures)
  • Ensure graphics and tables are clear
  • Don’t clutter your slides – if necessary have things come up on mouse clicks
  • Use spell check and also proof-read
  • Practice presentation with your lab and peers
  • Work on pronunciation, if required
  • Time presentation to ensure it is long enough but will also allow time for questions

Public Lecture

It is recommended that you do a trial run of your presentation a day or two before your defense in the auditorium or room that has been booked for your public lecture. This will allow you to familiarize yourself with the space and the equipment and to address any problems that arise during the trial run.

Plan your public lecture to allow a 50 minute talk with 10 minutes for questions. Present enough information so that the audience understands what you did, why you did it, what the implications are and what your suggestions are for future research.

The date/time/location of your defense and thesis topic are published on the school’s website to invite the larger community to attend. Departmental/program announcements are sent by your Graduate program coordinator to invite faculty and students. Friends and family are welcome to attend the public lecture. Faculty and students in the audience are given the opportunity to ask questions when committee members conclude their questions.

Friendly Advice: Just before your talk, chat with friends and mingle with the crowd. This may reduce your anxiety and nervousness.

Prior to the defense, plan to provide friends and family with a map and directions to visitor parking lots at the Medical Center or Saunders Building as well as the name, room number and directions to the auditorium or room booked for your defense. You may also want to ask another student or postdoc to assist your friends and family on the day of your defense to get to your public lecture and to gather somewhere while you are engaged in the closed exam.

Dress Professionally

Plan to dress professionally for the defense in the same way you would if presenting a paper at a conference or for a job interview. Suits, ties, dresses, and skirts are the norm. You will be standing for a long time on the day of your defense. You might want to keep this in mind when selecting the shoes you’ll wear for your defense.

Items to Bring to the Defense

Your presentation, a laser pointer, a copy of your thesis, a pen or pencil, a note pad and a bottle of water are essentials that you should bring to the public lecture. Other things you feel you need (e.g. Kleenex tissues, a lucky charm, etc.) are acceptable to bring with you as well.

The Closed Examination

You will be asked to leave the room while your Committee reviews your program of study, grades and decides whether the thesis is acceptable/not acceptable. The Committee decides whether members will ask sequential questions or whether each member will be allotted a specific time period for questioning.

Address Questions with Confidence

  • Answer the question to the best of your ability. If you do not know the answer, remain calm and say so in a professional way.
  • Remember no one will know the ins and outs of the thesis and your research materials as well as you. You are the foremost expert in the thesis topic and YOU really do know the science involved. Be positive!
  • Passed – successfully performed in the final oral examination and thesis was acceptable
  • Passed pending revisions to the thesis - successfully performed in the final oral examination and thesis will be acceptable with revisions which are approved by the advisor and sometimes by all members of the committee
  • Did not pass – often based upon performance in the final oral examination

After the Defense

You will receive annotated copies of your thesis from the members of your examination committee. The Chair will give you a packet of paperwork that includes:

  • Survey of the Earned Doctorate
  • Instructions for submission of the final thesis to ProQuest Dissertation Publishing
  • University of Rochester publishing agreement

The survey and UR publishing agreement are expected to be submitted to the University Dean by the date the final copy of the thesis is submitted to ProQuest. Students have 60 calendar days after the defense to complete all final requirements (revisions and upload to ProQuest) except when defenses are scheduled late in the semester and are subject to a deadline date that is shorter than 60 calendar days. Review the School’s academic calendar to be aware of deadline dates.

Exit Interview with the Dean

After your defense, and most likely after the final thesis is submitted to ProQuest, you will meet with the Dean for an exit interview. The meeting is intended as an opportunity for you to share your graduate school experiences with the Dean. This is a confidential meeting at which you may express your comments and discuss your concerns openly and honestly.

Department/Program Requirements prior to Termination of Student Status

Each program has its own process for students who are ending their student status. Be sure to check with your Graduate program coordinator to determine if there is additional paperwork that you’ll need to complete before your student status is terminated.

Publishing Your Final Thesis

The University of Rochester requires all doctoral candidates to deposit their theses for publication with ProQuest Dissertation Publishing and with the University libraries. Hard copies of the thesis are not required by the Dean’s Office or the Miner Library. Miner Library receives an electronic copy of the thesis from ProQuest but students must give the University their permission in writing to obtain it.

SMD graduate students are given 60 calendar days following the defense to submit the final copy of the thesis to ProQuest (except when a semester deadline does not allow 60 days for revisions).

Binding Your Final Thesis

Your department may want a bound copy of your thesis. Please check with your Graduate program coordinator to determine this and how the cost of binding is covered. You may also want a bound copy for yourself and others. Printed and bound color copies are available for purchase through ProQuest.

Date of Degree Completion

Degree requirements are met on the day your final thesis is submitted online to ProQuest.

Date of Degree Conferral

Conferral is the act of officially awarding a degree. The University of Rochester Board of Trustees confers degrees 5 times each year (August, October, December, February/March and May). Your conferral date will be determined by the date in which all degree requirements are completed and your final thesis is submitted to ProQuest.

Commencement

The graduation ceremony for all University of Rochester doctoral candidates is held in May of each year. Only the students that have completed degree requirements including the submission of the final thesis to ProQuest are eligible to participate in the ceremony. Diplomas are distributed at Commencement or mailed to those that do not attend.

Information on the Commencement Ceremony and graduation regalia can be viewed on the University Website or SMD GEPA website .

Proof of Completion

Many employers want “proof” of the degree earned. The Registrar can provide you with a letter indicating the date degree requirements were satisfied and the date the Board of Trustees will confer/conferred the degree. This is your best option for proof of degree immediately following graduate school.

You may also supply employers with your official transcript, which will be notated to include the date of degree conferral after conferral occurs. Your diploma can also be used as proof of the degree if you wish to copy it for an employer.

Some employers work with agencies that search for, screen and hire employees. They often submit forms to the academic institution that request enrollment information as well as degree verification. The Registrar will provide this information to an agency if your signature is provided with the forms indicating approval of the release of information.

Student Loans

If your student loans have been in deferment, you’ll need to notify your loan servicer of a completion date. Some loan servicers accept the completion date via your phone call while other servicers require that you submit a final loan deferment request form or letter from your Registrar before the repayment process can begin. Once a completion date is reported, your loan servicer will provide you with the information needed to start repayment or to continue deferred status, when applicable.

URMC Email Address

Student URMC email addresses will remain active for a short time after completion of the degree if the email address is hosted by the Miner Library. You can determine this by contacting the Miner Library email support or University IT . If you remain at the URMC after your defense, your email address will be transferred to a non-student server by the hiring department.

Non-URMC Email Address

You will be asked for a non-URMC email address when you submit your Exit Interview form. Graduate Student Regulations and Policies  

Defense and Dissertation Overview

Once a student’s box is checked, the BPH student should set up a one-on-one “Defense Packet Meeting” with the BPH Associate Director to review the Defense and Dissertation Process, which includes reviewing all required materials, logistics, timing, FAS/Harvard Griffin GSAS Form of the Dissertation, sample forms, and to answer student questions related to these processes.

  • Defense Committee Chair: One member of the student’s DAC, often the DAC chair, is required to chair the oral defense. This required holdover from the DAC serves the purpose of providing insight to the examiners regarding the path the student has taken in completing the dissertation research. Their primary role is to assess committee satisfaction with the written dissertation, administer the exam, arbitrate any problems that may arise, and make final recommendations for completion of necessary corrections and additions to the dissertation. No other DAC members can serve on the defense committee .
  • At least one member must be a BPH faculty member, often from the same academic department.
  • One member of the examination committee must be from outside of Harvard University.
  • The fourth member may be from either BPH or another Harvard-affiliated program.
  • Co-authors and collaborators cannot be members of the Defense committee
DEFENSE TIMING AND FORMAT
  • Students should notify the BPH Program as far in advance as possible with the details of the exam. 
  • The student is required to notify the BPH office no later than 3 weeks in advance of the defense with the final dissertation title.
  • At least two weeks before the date of exam, defense members should be sent copies of the dissertation for review. A copy of the dissertation should also be sent to the BPH program.
  • If any defense committee member foresees problems with the exam, they should contact the chair of the defense committee in advance of the meeting. If major problems are found with the written document, the Committee can decide to postpone the oral defense until satisfactory changes are made. While rare in our program, these occasions can involve the insufficient or improper use of statistical methods, grossly overstated conclusions, insufficient background or discussion, or evidence of plagiarism.
  • More details about the timing and format are provided in the “Defense Packet Meeting” held with each student.

STIPEND GUIDELINES

If a student successfully defends the dissertation before the 15th of the month, the stipend will be terminated at the end of that month. If the student successfully defends on or after the 15th, the next month’s stipend will be the final month the student is paid, at the discretion of their advisor.

Students are encouraged to speak to their advisors directly about how they should be paid as they complete their graduate work. If an advisor wishes to pay the student for one additional month, beyond what has been explained above, the advisor must notify the department’s financial administrator. For administrative reasons, a stipend cannot be issued to a student after their graduation/degree conferral date.

ORAL DEFENSE PROCEDURES

Part 1: Public Seminar As part of the exam, the PhD candidate will present a public seminar followed by a private oral examination.  The public presentation lasts no longer than 1 hour, which includes time for the advisor’s introduction, the student’s oral presentation and acknowledgements, and time for audience questions and answers.  The Defense Committee is required to attend the public seminar; however, it is customary for members of the defense committee to hold their questions until the private oral exam.

Part 2: Private Oral Examination A private oral examination follows the public seminar.  Initially, the student will be asked to leave the room for several minutes, along with the dissertation advisor if the dissertation advisor has decided to remain for the private exam.  During this time, the committee will discuss the merits of the dissertation, any issues with the dissertation, and areas they may want to focus on during the oral exam.  The student (and advisor if present) is then asked back into the room for the exam.

Each member of the defense committee will direct questions to the candidate based on their review of the dissertation and presentation of the seminar. The Defense Chair will moderate the discussion between the panel and the student.  The closed defense takes up to two hours and involves detailed technical questions as well as broader questions on the conclusions, impact, and limitations of the research.  Dissertation advisors may be present, but they must not participate in the exam (e.g., answer questions posed by the committee).

At the end of the examination, the student (and advisor if present) is once again asked to step out of the room for several minutes.  The Committee will discuss any revisions needed for the thesis and whether these revisions need to be reviewed and by whom.  Once the committee determines the outcomes, the student will be asked back into the room and the Committee provides the student with any [minor] changes needed to the dissertation. While it is extremely rare for the student to fail at this stage, the committee will provide recommendations to the student on their research, communication skills, and development as a scientist, as well as delineating the required changes to the dissertation.

PREPARING FOR THE DEFENSE/WRITING THE DISSERTATION

Students preparing to write and defend their dissertation must review University requirements as outlined in “ Dissertations ” with guidelines published at the Graduate School of Arts and Sciences.

Students are also welcome to visit the BPH Student Lounge (Building 2, Room 113) to look at copies of previous BPH bound dissertations.

Writing the Dissertation Each student must write a comprehensive PhD dissertation on their research topic and the original results of their research. There are a variety of ways a dissertation can be composed, but the core elements described below must be included. The dissertation must show original treatment of the subject, contain a scholarly review of the pertinent literature, provide evidence of independent research of publishable quality, and be clearly, logically, and carefully written. In addition to a compendium of the student’s research, including detailed methods and results, the dissertation must contain a thoughtful discussion of the conclusions, impact, and limitations of the research. The completed work should be critically reviewed by the dissertation advisor before being submitted to the Dissertation Defense Committee.

In some cases, the student has done all of the work in the dissertation; more often portions of the dissertation result from collaborative research. In all dissertations containing collaborative results, the dissertation should indicate concisely who contributed to the work and how.  For example, a chapter containing multi-authored, published work must include a complete reference of the publication and a brief description of the candidate’s and the colleagues’ contributions. For work that is not published but which resulted from multiple researchers, the contributors must be named and respective attributions made clear. This policy allows stylistic flexibility; depending on the amount of collaborative work in the dissertation and the status of publication(s), the attributions can be, preferably, on or accompanying the cover page for each chapter or within an extended acknowledgements section at the end of each chapter. It is recommended that if figures or figure panels are included that are the work of others that the figure panels be clearly identified and the work properly attributed. It is permissible for more than one student to include work from the same collaboration or publication as long as the required attributions are clear, justified, and complete.

Individual chapters can be that of published articles as long as there are also comprehensive Introduction and Conclusion chapters written by the student. While the text can be the same, use of journal reprints as a chapter is not permissible. A word document of the published article must be used, and the pages in the dissertation must be consecutively numbered. Furthermore, the figures and accompanying figure legends must be integrated into the main body of each chapter, preferably following the first mention of the given figure, not clustered at the end of the chapter. Any dissertation that varies significantly from the Graduate School or FAS guidelines, or is not neat and readable, is subject to required stylistic revision before acceptance by the University. DEFENSE FORMS AND PAPERWORK

Dissertation Acceptance Certificate Before the examination, the BPH Program Office will provide the Defense Committee Chair with a copy of the official Dissertation Acceptance Certificate. This certificate must be signed by all readers of the dissertation at the end of the examination and returned to the BPH Program Office. This certificate will be scanned and sent to the student so it can be inserted as page one of the dissertation prior to the online submission. The student must submit the one original, official copy to the Registrar’s in Cambridge by the appropriate deadline.

If extensive corrections are to be made, the BPH Program Office will hold the certificate until the Defense Committee Chair, and/or assigned reviewer(s) provide a written notification to the BPH Program to confirm that the corrected work has been reviewed and approved.

Dissertation Defense Exam Report The Dissertation Defense Exam Report is completed by the members of the Dissertation Defense Committee to provide a record of any comments or recommendations they may have. The report must be signed by all members immediately after the private exam. The completed report must be submitted to the BPH Program Office at the same time as the Dissertation Acceptance Certificate.

Review Graduation Deadlines .

Submit  your most recent degree audit worksheet from Degree Works   at least three weeks prior to defense unless, already on file with the Graduate School.

Graduate School Clearance Link

The Graduate School will confirm that all Syracuse University Graduate School and departmental rules have been followed (i.e. time limits, number of credits, GPAs, etc.) and all degree requirements have been met before the notice of your defense is sent out. The following documents must be on file and approved by the Graduate School for a student to be cleared for their defense:

  • Degree Audit Worksheet – a signed PDF of your most recent  degree audit worksheet , using the student view format. Your advisor must sign and date the top of the PDF. The signed degree audit worksheet is submitted to [email protected]
  • Program of Study – if you matriculated prior to 2015 or your degree audit worksheet is unavailable, please submit your final Program of Study with appropriate signatures to [email protected]
  • Transcripts –  Documentation for all degree applicable post–secondary coursework. This includes your undergraduate transcript and courses being used for transfer credit. Official degree–bearing transcripts are required for all prior degree applicable degrees received. Please check with your program coordinator to confirm your transcripts are recorded (in MySlice ).
  • Coursework  – All coursework must be registered for and grades posted before the defense takes place. Exception: Master’s students with final semester coursework currently in progress.
  • Additional Degree Requirements – The Graduate School will confirm that all other requirements for your degree have been completed and all required supporting documentation has been properly filed. This includes the results of your qualifying exam(s) and ABD requirements (if applicable).

Graduating students must notify the University that they intend to graduate through the File Diploma Request process on MySlice . Only students who complete this process are included in degree certification review.

Consult your Advisor Link

Consult your thesis/dissertation advisor to begin preparation for your defense. Be sure that you are aware of all departmental procedures and regulations that pertain to your thesis/dissertation and oral examination.

Form your Defense Committee Link

  • Master’s students (and Doctoral of Professional Studies & Doctor of Juridical Science) Your defense committee consists of  four voting members (including your advisor and oral exam chair). The oral exam chair is a tenured or tenure-track faculty member at Syracuse University who presides over the exam and ensures that the regulations and declared policies of the Graduate School and your department are followed.
  • Doctoral students (excluding Doctoral of Professional Studies & Doctor of Juridical Science) At a minimum, the dissertation defense committee consists of four faculty members, including the oral defense chair and the student’s dissertation advisor. The oral exam chair must be a tenured or tenure track faculty member at Syracuse University from outside of the student’s program of enrollment. The chair will preside over the exam and ensure that the regulations and declared policies of the Graduate School and academic unit are followed. The remaining two committee members must be tenured, or tenure track faculty members employed by Syracuse University with relevant expertise and typically from the student’s program and/or affiliated program faculty.At the request of the student and with concurrence of the student’s faculty advisor, an oral examination committee can include more than the required minimum number of committee members.In addition, a doctoral program may elect to require additional oral examination committee members above the minimum for all dissertation defenses. If additional committee members beyond the required four members are desired and/or required by the program, additions can include: Syracuse University non-tenure track faculty member with a Ph.D. or comparable doctorate (e.g., teaching assistant professor) and/or an individual who is external to the University, assuming the individual has appropriate subject matter expertise.

Submit a Request for Exam Link

A Request for Examination form must be submitted  at least three weeks prior to the proposed defense date. The Request for Examination (RFE) form is submitted electronically. Once you have successfully submitted this form you will receive a confirmation email with a PDF document of your RFE form. The PDF must be signed by your advisor and academic unit chair. The signed RFE form must be submitted to the Graduate School electronically at [email protected] . Your request will not be processed until the signed form is received. The signed form provides formal notification to the Graduate School that your department supports your request to proceed with your defense.

Defense Format Link

We would like all students to defend their thesis or dissertation in-person but we understand that this might not be possible.  Defenses may be held in-person or remotely. The student is responsible for contacting all committee members about the possibility of a remote option for the defense and must make all of the necessary arrangements, including providing the video conference URL to the Graduate School (on the RFE form) and to their department.

Formal Defense Notification Link

Once a student is cleared to defend their thesis/dissertation, the Graduate School will send email confirmation to all committee members, the student and the department that the defense will proceed as requested. The email will include a committee approval page that lists the members of your oral examination as an attachment. This document is sent to the oral exam chair for signatures at the conclusion of your defense. Doctoral defense notices are posted on the Syracuse University Events Calendar.

Distribute your Thesis/Dissertation Link

You must submit copies of your thesis/dissertation in the appropriate form to all members of the examination committee, including your advisor and the oral examination chair, at least two full weeks before  the scheduled date of the examination. This deadline is strictly enforced. Your defense may be canceled if all committee members do not have a copy of your thesis/dissertation in time. It is required that an additional copy of the thesis/dissertation be deposited with your department two weeks before the defense. The department copy may be reviewed by anyone who wishes to attend the defense.

Hold Your Defense Link

Consult your advisor about planning for your final oral examination and about any specific defense requirements the department may have. Your defense will take place at the time, place and date requested. At the conclusion of your defense, you will be informed of the status of your defense and advised to proceed accordingly.

Master’s Thesis Defense Format

The school/college will conduct the examination in the manner it considers most effective; the student should contact their department and school/college for specific procedures and guidelines.

Dissertation Defense Format. 

At a minimum, a defense should include a brief oral presentation from the doctoral candidate followed by a rigorous questions and answer session where a student is provided the opportunity to demonstrate subject matter mastery. Beyond these minimum requirements, each program is free to conduct the dissertation defense in a manner considered to be most effective based on norms within a given academic discipline.

  • The rules from the Office of Graduate Studies provide the foundation for forming the committee
  • The Chair of the dissertation committee should be from the department in which the student is completing the doctorate
  • The Chair helps the student plan a committee that works well together
  • The Chair sets the ground rules for the entire process
  • Comprehensive/written exam
  • Proposal meeting
  • Oral defense
  • Committee interaction is typically limited because committee members serve on multiple committees, but it is important to maximize these interactions as much as possible

Good practices for choosing and working with readers:

  • Provide adequate time for readers to carefully read the dissertation draft
  • They are on the same page as one another
  • The reader sends any comments to the chair
  • The chair does not have any surprises
  • Best recommendation is to have one
  • This is up to the Chair’s discretion
  • Outside readers are often heavily sought after from their own department, so the Chair should direct students toward readers with whom the Chair shares a relationship and trust
  • Hold readers accountable for reading the dissertation draft

Good practices during the proposal and dissertation process:

  • Send the student back to the drawing board
  • Find the problem in the proposal early!
  • It is the Chair’s responsibility to ensure the student is prepared **
  • It is important that students understand that the proposal is a contract  
  • Day-to-day or week-to-week contact between the Chair and student is often required to check progress. Students need an ACTIVE chair
  • Some departments recommend that students submit their writing for publication while still in graduate school

Good practices during the oral defense:

  • Defenses should be open; Open the door for others to watch
  • Announce the defense to students and faculty
  • The dissertation should be celebrated at the department level—this is an important presentation and should be announced, heard, etc.
  • Hold a private meeting (ask the public to leave) after the open defense for the committee to discuss their decision
  • Create a culture within the department in which students know what to expect from the entire committee during the defense
  • Trust between the Chair and committee members is especially important during the defense

A successful oral defense is the last public presentation of the dissertation but EDITS will need to be made before the dissertation is DONE; students are not done until edits are completed and the dissertation is deposited

Whether you’re pursuing a master’s degree or doctorate, it’s the final step to that much-deserved achievement. 

A thesis defense requires a lot of prior research and preparation. And as important as its content is, so is how you present it because a stunning design with clear data and text hierarchy plays an immense role in comprehension.

In this article, we’ll explore how you make your thesis defense .

The organization is the key to success. Establishing some previous steps before any project or work is essential for the result to be very positive. And the defense of a thesis could not be less. 

Below, we will develop all the necessary steps to make a thesis defense presentation and we will give you some tips on how to carry them out.

How to Make an Amazing Presentation

Defining the concept of your thesis presentation, structuring your thesis defense presentation, how do you welcome the audience, tell them why you did this thesis, go into the content by explaining your thesis part by part, how to end the defense of the thesis.

After a long time of research and study, the content of your thesis is ready. Now, you have to find the best way to reflect all that effort behind your work. The information comes across more clearly if you use a visual format, as it attracts the attention of the audience. To present your thesis information in a clear, concise, and ultimately amazing way, you can use one of our unique thesis defense templates , available at Slidesgo.

As an example, in this article, we are going to use the Ecology Thesis template . With it, we will show you what to include in your presentation and how to make an attractive design.

After choosing the Google Slides and PowerPoint template that best suits the needs and subject matter of your thesis, it is time to define an overarching concept.

This is the main theme on which your designs are based. It must be relevant to your thesis as its purpose is to guide your selection of colors, typography, images, style, etc. 

These must be portrayed in a way that supports the main message of your slides and should be aligned with your concept both visually and sociologically.

Once you have defined the concept, you will have to move on to the next step: structuring the content of your thesis. A good structure will show that there is a good organization behind the work, but most importantly: it will highlight your content.

In this article, we are going to show you a structure that could be a good example of how to structure a thesis, but you can adapt it to what your specific content requires.

Before you begin your thesis defense, you should welcome your audience. A good presentation will make you connect with your audience, which will result in more general interest in your work.

Use an appropriate language register (avoid informal language), but be approachable and natural.

"Welcome to the thesis defense on [the title of your thesis]". Next, introduce yourself with your name and give a short description of your background and occupation.

Don't forget to say “thank you for attending!”

To continue establishing that connection with your audience, explain the reasons that led you to do this thesis. Tell the professional reasons, and you can even say some personal ones, which will denote closeness, and your audience will appreciate it.

Now it's time to go into the content of the thesis ! After these preliminary steps, which are just as important as the thesis itself, it is time to explain part by part the structure (which you had previously established). We are going to propose a structure for your project, but the final decision is always yours!

First impressions are very important. Because your title page is the very first thing viewers see, it must be striking and impactful. It also sets the stage for the rest of your slides.

In one glance, the following should be established:

  • Thesis defense topic
  • Design style

For instance, the ecology thesis’s title page uses illustrations of a natural landscape to represent the topic of nature and a striking shade of blue to set the tone.

The sans serif font used depicts clean-cut typography and style and the thesis topic is written in large and bold typography, which draws attention to it immediately.

Right after your title page, include an introduction slide to provide more details about your topic. 

This means explaining what you hope to answer with your research, its importance to your field, and why you chose it.

Continue to incorporate design elements relevant to your concept. This example has done just that by using a different natural landscape and including animals. For coherence, stick to the same typography and style throughout your presentation.

The aim of the literature review slide is to illustrate your knowledge of your thesis topic and any relevant theories.

Walls of text kill a design. For clarity, we recommend presenting this with bullet points. Each one should be short and sweet and only touch on the basics; you can elaborate on them in your speech. 

Don’t forget to be consistent with your design. In our example, we’ve maintained the tone of blue chosen and added illustrations of leaves in the far corners of the slide. 

Also, address similar research that has been done. This is to showcase your topic’s originality and, if relevant, how it’s different and/or an improvement from previously done research.

This is one of the most important parts of a thesis defense presentation.

It allows your viewers to assess the rationality and validity of your approach and consequently, the accuracy of your results.

A great methodology slide explains the what , how, and why :

  • What method did you use for your research
  • Why did you choose it
  • How did you conduct it

Because this part of your thesis will be rather technical, the most effective way to aid understanding is by using graphics like charts and tables.

Keep text to a minimum to avoid drawing attention away from the graphics. If there is a text that must absolutely be included, consider using bullet points and keep them short.

Don’t forget to maintain color, style, and typography coherence.

The results slides are easily the most quantitative part of a thesis defense. 

Here, your aim is to simply introduce your findings. Select the most impactful data and highlight them here.

Just as with methodology, use graphics like charts, tables, and graphs to portray the data in a clear way. And, once again, try not to write too much text. Let the visual content do the talking .

After you’ve introduced your data, the next step would be to help your audience make sense of it. That means understanding what it means in the context of your thesis research topic and your discipline. 

Simply put, you should answer the question: What do the numbers mean?

The best way to approach this would be to do it as if you were creating an infographic . 

Illustrations like icons are a quick and simple way to represent your message. It also reduces the amount of text on your slide, which makes the information much more digestible. 

For a balanced thesis presentation, you should also address any outliers and anomalies.

To quote bestselling author Robin Sharma, “Starting strong is good. Finishing strong is epic.”

That’s exactly what to aim for in your conclusion.

Provide an overview of your thesis topic and remind your audience what you set out to answer with your research. In our example, we’ve used three icons accompanied by a short title and text.

Don’t forget to address any shortcomings and limitations in your approach and extra points for suggesting possible improvements for future research.

What to expect in a thesis defense.

A thesis defense is your chance to demonstrate your in-depth knowledge and expertise in the topic of your research thesis. While you will be able to take charge of the narrative and present your research to those on your thesis committee, the professors will prod you to test how well you know and understand your topic. The questions are mostly open-ended and give you the chance to showcase your knowledge and understanding, as well as any future plans you may have regarding your research topic.

A thesis defense usually lasts between one and two hours, depending on the area of your research. It starts with you giving a presentation of your interest, findings, and conclusions. After you have finished, the committee members will ask you questions based not only on your presentation, but also on your written thesis as they will have read it before your presentation. Lastly, the committee might approve your thesis or suggest changes to your paper.

Preparing thesis defense questions requires you to start well in advance. While the duration of your thesis defense might vary as per your institution's requirements, the major idea is to defend your research. Re-read your thesis for clarity

Your thesis defense questions will be based on what you have written in your research paper. Hence, it is a good idea to re-read your paper. You should be clear on the concepts and understand your research well. It might have been some time since you would have submitted your paper, so a revision should be the starting point of your preparation.  

Have an answer strategy and structure

Plan a strategy to answer the panel’s questions. Keep your answers direct, but elaborate on the research details wherever necessary. If you do not know the answer to a question, that is alright. The key is to be able to formulate an answer even if you do not possess enough knowledge to answer at that point in time. For instance, if a question is about the content of your research, you can say something like “I am not certain my research touches on the question you are asking, but my research has led me to Dr. X. Based his evidence, I would have to conclude that…” Having a strategy for answering even the most unexpected questions can be a life saver in these situations!

Most of the thesis defense questions can be easily predicted based on your research. You can prepare a list of possible questions when you are going through your paper. Getting to know the committee can help you in preparing better. Their areas of expertise can help you in determining what they might ask. Once you have a list of questions, you can start brainstorming how you might answer them. 

Prepare your slides in advance

If you require visual aids such as slides, it is a good idea to prepare them beforehand. You can double-check the slides and make sure that your presentation will run smoothly on the day of your thesis defense. Make sure your slides are arranged in the correct order. 

Attend a thesis defense of other candidates if it is an open event

If your institution allows it, you can visit a thesis defense of other candidates. This will give you an excellent idea of what you can expect in your meeting. If it is not possible to attend the event, you can speak to your peers to find out how their meeting went and what questions were asked.

Dress appropriately for your meeting

The thesis defense meeting is a formal event, and hence you should be dressed in formal clothes. 1.    what is your research study all about.

In your answer, you should summarize your research in a few sentences. The question is simple but requires technical expertise for a better explanation of concepts. For instance, if you completed a thesis in an attempt to explain the constituents of dark matter in the universe and particle accelerators, you could frame your answer like this:

In this research, the different aspects of dark matter and its detection models have been investigated. The cosmic ray positron excess observed by the PAMELA detector has been discussed and explained through the construction of models of decaying dark matter. The cosmic-ray electron and positron spectra were studied assuming a general Dirac structure for the four fermion contact interactions of interest. A supersymmetric leptophilic Higgs model was constructed to explain the possible excess of gamma rays in the galactic center. Finally, by the use of Razor analysis, an improvement on the dark matter collider searches is considered.  

2.    Why did you choose this study?

This question requires you to answer what motivated you to pursue the study in the first place. Your answers could touch on your interests in the area of the study. For example, if you conducted a study called “Media Combat: The Great War and the Transformation of American Culture” then you can shape your answer like this:

The First World War (1914-1918) has always been a topic of fascination for me, and my prime interest lies in exploring the state of society at that time. I wanted to analyze the formation of a nationalized, wartime cultural apparatus during the United States' involvement in the war and how theatre and music transformed the relationship between the government and American citizens. 

3.    Why did you choose this particular title for your research?

The title of your thesis captures the main point of your research, which is why it is so important to use an appropriate title. Your committee will want to know how you came to the final decision of naming your work. For example,

I chose the title “Dark matter in the heavens and at colliders: Models and constraints” for my research thesis because my research attempts to explain the constituency of dark matter as it occurs in the universe. “The heavens” is another word for the universe. Dark matter can also be created in particle accelerators such as the CERN collider. I have attempted to provide an explanation for both of the cases through the use of models, along with describing the constraints which exist in the current times due to certain scientific limitations.

4.    What is the scope of your study?

In your answer, you have to define the boundaries of your project and define exactly what you are studying. There can be several elements involved but you have to define the parameters that you have chosen to study. For example,

My study is on the efficacy of equity stocks in the US market. For my study, I have chosen 50 companies listed on the NASDAQ. You can review the names of these companies on page 5 of my thesis.

5.    What phenomenon were you trying to understand with this research?

Describe the focus concept of your thesis in the answer. For example,

In our study “Motivation to volunteer”, we were looking to study the Theory of Planned Behavior by analyzing the behavioral and normative beliefs that influence attitudes and subjective norms.

6.    Who will be most interested in your research?

You can talk about who may be affected by your research and the parties who can potentially benefit from the research. Take a look at this example:

My sociology thesis on “Impact of social media on youngsters” can be of interest to sociology academics, social media companies, education experts, and parents of youngsters in general.

7.    Did your research questions evolve during the process? If so, how?

Often, qualitative research questions change over time with respect to the responses that you might get from your focus group. Or you might just change your question as you do lab research or general text research. You can describe the change to the evaluating committee. For example,

We started our study to understand the impact of the new public policy change on recycling of vinyl waste through installation of garbage bins specifically for vinyl products. However, after interviewing some of the respondents in the target community, we found that the rule is actually irrelevant to their behavior and thoughts because the percentage of vinyl waste in that specific locality was very low and it didn’t need the installation of dedicated bins for the purpose. Going by their frustrations with the current economic insecurity, our study evolved into the impact of costs incurred by public policy changes.           

8.    What gaps did you intend to bridge with your research?

Your research thesis must eliminate the present gaps in the concepts related to your subject topic.

The relationship between hard water and its effect on the size of the kidney stone is not clear yet, so we analyzed the mineral composition of hard water to determine its impact on the size of the kidney stone.

9.    Why is your research significant?

The answer to this research question should outline the impact of your research on your field of study. You may talk about the new insights contributed by your research and its impact on society.

Through my study on “The effect of chamomile in reducing stress and promoting better sleep,” patients with insomnia and anxiety will be able to find alternative treatments without the use of medicinal drugs. The medical abilities of chamomile will promote the usage of ingredients in nature and will encourage the community to plant more herbs and trees.

10. What did you find in your research?

You may describe your research in a few sentences in this answer. For instance,

In our study on “Impact of artificial fluoride in water on the human body,” we found that excessive exposure to high quantities of Fluoride can result in tooth discoloration and bone issues in humans since it has neurotoxic qualities. 

11. What research findings surprised you?

When you conduct research, you come across findings that you were not expecting earlier. If you had such an experience, you might describe the same to the evaluation committee when you answer this question. For example,

I was expecting that business promotion through social media would not be a good idea for rural enterprises in developing countries in my comparative analysis of the usage of traditional and contemporary marketing methods. But I was surprised to learn that 68% of rural textile businesses in Nigeria promote their products on Instagram.

12. What is the validity of your findings?

You have to talk about the conditions in which your research findings would be valid.

In my research, I have considered test anxiety to be involving both nervous system activation and negative thoughts. Thus, my measure of test anxiety has included the elements of both nervous feelings and negative thoughts, the conditions in which my findings are valid.

For example,

For studying the differential protein expression, its localization, and distribution at different levels, we used the method of immunostaining in our research.

14. What sources did you use for data collection?

You would have used several sources to search for data for your topic. You may elaborate on those sources. You might have referred to databases, content on the web, or even conducted primary research by interviewing prospects. Thus, you can talk about these sources. Refer to the following answer:

To understand the impact of the current tax regime on skilled workers, we interviewed 150 subjects in 5 months. Additionally, we referred to databases and scholarly works available by authors who had previously conducted such studies for previous tax laws and rates. 

15. How can your research be put into practice?

This question talks about the practical implications of your research. You should talk about how your research is beneficial for society and how it can help in eliminating current issues.

In our research titled “Effectiveness of Meditation on Reducing the Anxiety Levels of College Students in the US,” we discovered that students who practiced meditation at least thrice a week were two times more likely to score better in their exams, owing to the positive impact of meditation. So, this research finding can help in the reduction of mental health issues among students. A suitable course of action would be to hold meditating sessions a couple of times a week.

Our study on medicinal analysis of herbs conveys information about various medicinal benefits of chamomile in treating depression and contributes to the area of medicinal botany.

17. Did you experience any limitations in your research?

Our research on “Impact of smoking on β-cell function and risk for type 2 diabetes in US citizens” finds that smoking increases the risk of diabetes among smokers. However, smokers might be affected by some genetic conditions which can protect them from diabetes. 

18. What sampling techniques did you use?

When conducting research, it is practically not possible to study the entire number of elements. So, you would be using a method to select a sample population.

In our study “Impact of consumption of soda on the health of teenagers in Corpus Christi”, we used area sampling to divide the city into several areas and then selected some clusters for our sample group.

19. What are the dependent and independent variables in your research?

In research, several variable factors impact your study. You can describe these variables. Independent variables have values which are not affected by other variables in your study. On the other hand, the dependent variables have values that change with changes in the independent variable. For example,

In our study on “Impact of online tutoring on test scores”, the independent variable is the nature of the classes i.e., online and the participants' test score is the dependent variable.

20. What areas do you suggest for further research?

As a researcher, you should be able to describe what further areas are open for research with the addition of your research to the field. This can act as a starting point for future researchers. For example,

In my research on “Effectiveness of Acetaminophen in treating sports induced injuries”, I discovered that administering Acetaminophen is not very effective for treating joint pains such as the knee. This further suggests measures for the regulation of Acetaminophen in the production of painkillers for body pain and the search for alternative compounds.

You have to plan and prepare for your thesis defense. Review your paper and anticipate the questions that the committee can ask.
