A research proposal is a serious statement that addresses a researcher’s intent to conduct a study on a phenomenon and a plan about how to perform the research. Students usually undertake research under the guidance of a supervisor from faculty in tandem with assistance and supervision of other faculty members. Thus, the proposal should be a clear statement of intent that aims at elucidating the plan of research to make it feasible and acceptable for all parties concerned. The most essential characteristic of a research proposal is that it should be sufficient to present the researcher’s idea or question and expected outcomes with clarity and definition (the what). It should also make a case for the reason the researcher’s focus of study is significant and the value that it will bring to the discipline under study (the why).

Welcome back to 'Step change: a road map for new fundraisers' , a 10-article series all about communication tools for social impact organisations. In this series, we will provide guidance and resources for fundraisers to effectively share their story and inspire action.

Let’s imagine you have been working all your connections, networking from night to day with potential partners or donors, and reaching out to dozens of foundations and trusts. Most of your messages go without a response, but finally, someone replies. They are interested in what your organisation is doing and are eager to hear more. You officially have your foot in the door! What now?

Instinctively, you might draft an email detailing how you appreciate their interest and some of your ideas for collaboration. That is a fantastic start, but you will also need to summarise what your organisation does, how you do it, and what kind of support you need. If you send all this information in the body of the email, the recipient might feel bombarded and have trouble responding. Instead, consider drafting a short, tailored message to the recipient in the body of the email and then utter the magic words, “For more information about our organisation, please see the concept note attached.”

Before arriving at this point, you should have a concept note drafted, designed, and saved as a PDF that you can attach to the email.

What is a concept note?

A concept note is a summary of a proposal containing a brief description of the project’s core idea and objectives. A concept note shouldn’t be longer than two pages. That said, if your concept note contains multiple images, you can add another page or two, but do try to keep it short.

What should a concept note contain?

The basic structure of the concept note should cover the essentials of why your organisation exists. It should tell a straight-forward and coherent story. Basically, tell the reader what the problem is, how you plan to solve it, and the help you need from donors to do it.

A summary of your organisation. Need help? See Episode 1 about writing a 200-word description of your organisation.

Contextual information about the problem you are trying to solve, why it is a problem, and if possible, statistics to illustrate the impact of the problem.

An overview of your model and how your solution addresses the problem you’ve identified.

Your organisation’s needs and what kind of support you are looking for (consider both monetary and non-monetary needs). Present what you are asking from the potential partner and/or donor in concrete terms.

These are the basic elements that your concept note will require and most of this information will be in your 'Case for Support'. Don’t have an up-to-date ‘Case for Support’? Learn how to draft one in Episode 2 of this series.

Some organisations might like to add a text box explaining the organisation’s history, the founder’s story, staff, accomplishments like awards, or other information that makes the organisation unique. However, try to stick to the core elements as much as possible.

Don’t assume the reader is familiar with the problem you’re trying to solve or the organisation. Besides, they may have heard different things, and it’s best to control the narrative if you can.

Keep your concept note shor t. People are busy these days, so you risk losing people’s interest if your concept note is too long and wordy.

Use images and infographics where possible. An image can tell a thousand words, and that goes for concept notes (more on that in Episode 4!).

Tell a story. Give people a reason to care about your issue and your organisation; don’t just copy/paste facts, names, and dates.

Format it. A well-formatted concept note is like a good meal. If it looks good, people will want to read it. It doesn't need to be designed (sometimes it's good to look a little home made) but it does need to look readable.

Is your concept note too long? Try this:

Focus your concept note. Be brutal about what information you add to the concept note. Even if something will be important down the line, does it need to be explained right away? Sometimes, when we’re too close to the situation, it can be challenging to judge what is necessary. If you’re not sure, ask someone outside the organisation for help.

Create multiple versions. If your organisation runs or plans to run several activities, you may want to have several versions of your concept note. For example, suppose your organisation trains women entrepreneurs and also supports small businesses through loans. In that case, it might make sense to have one concept note that discusses the training programme. In this concept note, you can focus on the women, the content of your sessions, and the impact on the participants - all of which would be of interest to donors who support women’s education. The second concept note can focus on the loans, which would be of interest to donors who support microfinance or impact investing. That way, you can go into greater detail on each subject and ensure donors are getting the information they need.

Use text boxes. If you’ve cut the text as much as possible and the text is still too dense, you may have to draw out information and put it in text boxes. This will make it easier for readers to pick out critical information. (Be careful, though, too many text boxes and your concept note will feel cluttered.)

A concept note is a short version of a proposal . Donors often request concept notes as the first step in funding applications. This allows them to screen applications so that only the best ones are invited to submit a full proposal.

A concept note is a short but helpful document that proves you have put time into thinking about your idea. You will define the problem that you are addressing & explain how your product will solve it.

If you have thought about the Mission of your idea, have a deep understanding of that and make sure you keep it in mind as you frame the concept note.

An idea is a solution that you propose to an identified problem.

Note: – Here’s a simple example of an online restaurant discovery platform to help you understand easily, the info provided is not accurate. – This guide will help you write the concept by yourself at the idea stage, going deeper involves in-depth research & analysis that shall be done at a later stage with some external help

a) Product brief:  Define what is your product/service? An online discovery platform for restaurants & dine out places

b) Problem statement:  What is the problem statement that you had identified, which led you to think about a solution for it. Majority of people find it difficult to find the best restaurants or lack a reliable source of information to find one in a new city or neighborhood

c) Target audience:  Who will buy your product/service & What are their needs that you are addressing with your product. Students, professionals & people who choose to travel/dine out frequently, who wants to try out new places to eat

d) Needs:  What the customer needs, Why will they buy or subscribe to your product. List the needs that will be solved by addressing the problem. Reliable source to discover restaurants based on reviews, range of options to choose from, reviews to validate the choice, check the menu virtually to choose preferences

e) Solution:  What is the solution that you are offering and how the product addresses or solves the customer problem. We help the customer to discover, review & choose restaurants via an online platform (web/app)

f) Monetization :  How you will charge customers or make money. We charge a membership fee to customers for discounts with the restaurant partners, and restaurants to list as favorites in the platform

g) Value proposition:  Why will the customers pay or buy your product. Exclusive offers to paid members & We will drive visibility to the paid restaurant partners

h) Road map:  How you are going to get started, what the first few steps that you need to take. 1. List all top restaurants in the popular neighborhoods in the city along with their food menu. 2. Encourage visitors to rate & review hotels 3. Attain 10k visits per day, then focus on covering more regions

Keep Improving Your Concept Paper

Writing this concept is the first step towards actioning your startup idea. You can always start small, maybe with just answering 1 or 2 of these data points and add things later on.

Initiating action with this concept note will encourage you to keep progressing and go to the next steps. You can also further improvise your idea & add/modify relevant elements to all the data points over a period of time, based on your thought process, feedback, or suggestions received or research. Both during pre-launch & post-launch as well.

For instance, improvement features on the restaurant discovery app can include adding table booking, gift coupons, food ordering, order management, etc. at a later stage.

The Advantages of Writing Concept Notes

Concept notes give you the chance to create a framework for your ideas that you can present on paper. It makes proving a point or arriving at a conclusion easier because you simply have to organize your ideas without the extensive explanation and other complexities that a proposal would necessitate.

Writing a Concept Note

There are certain elements and parts that a concept note must contain to make sure that you are providing every necessary information through it.

  • Title.  A big part of the audience’s first impression of your work will solely be dependent on the title, and if  that much pressure is reliant on the title, making it will not be easy. Your title should be snappy and aggressive, yet fun and exciting. It should impress upon your audience the right image that you are trying to project about the content of your concept note.
  • Background.  The background you present in your concept notes must answer to crucial questions: “Why is it important that we address the problem identified in the study?” and “What means have already been conducted to try to solve the problem?” These questions, although simple, can already provide a thorough discussion of the relevance of the project being presented.
  • Objectives.  Since you have a problem that you are addressing through your concept paper, you must then be aiming at certain goals or outcomes. State these in your concept paper as well. Your objectives can either be short-termed or long-termed. They need to be as specific as possible. Providing numbers and statistics will make your objectives more convincing, so it will help if you have those to include as well.
  • Outputs.  Oftentimes, projects are proposed to donors because they are aiming for physical and tangible outputs to be constructed for them. It can be in the form of technical facilities or the publication of information materials. Intangible materials may also be mentioned in concept notes, such as raised awareness to a specific problem, and increased responsiveness toward an issue.
  • Activities and Duration.  You should also discuss the activities and tasks you need to conduct to be able to achieve your project objectives. The amount of time you need to invest in doing them should also be specified since this will give your audience an idea on how long the project has to be implemented before results start showing.
  • Beneficiaries.  When talking to prospective donors, this aspect of your concept note should be highlighted. You should do your best in discussing what they will get if they fund your project. After all, you and your project are an investment to them. They are not going to give you money for the sake of charity. The benefits are the fruits of the investment that they will reap.
  • Project Management.  This part will discuss all the necessary steps you need to follow to be able to realize your plan. Your project management plan should be well-structured and realistic so that your audience will be convinced that it is, in fact, realizable. Otherwise, even if you promise benefits and long-term products, you will not get the support and funding you will need if you cannot convince them of your ability to make it all come true.
  • Budget. This part should only be included if your audience requests for it. Otherwise, it would be best to keep your estimated amount to yourself. When presenting your budget in your concept paper, you must include into the equation all the necessary resources that you will need to realize the project. This will include the staff you will have to pay, the equipment, the materials, the facilities, the vehicles, and other things you might need.

Tips in Creating Your Own Concept Note

  • Your goal is to be able to express every important detail about your project in as few words as you can. Remember, you are trying to condense an entire project proposal into just 2 to 3 pages. Do not overwhelm your audience with too much blabbering they don’t need to hear, but avoid sounding vague either. To be sure, create bullet points of the necessary details about your project and expound on them through your concept note.
  • It is important that you consider your audience before and while you are making your concept note. Your audience is who you are trying to please, so you should try to make your content as relevant to their likes and current needs. It would help if you get to know your audience before presenting to them. Chances are, your audiences have different preferences. If you must, adjust your concept notes depending on who you will present it to.
  • It is also important for you to consider your language, of course, depending on who you are talking to. If your audience is made up of scientists, use scientific terms and jargon to more effectively establish rapport with them. Your language is your greatest tool to convince these people that your project is worth investing on. Use it well.
  • Refrain from discussing monetary issues on your concept notes. Although everybody knows that your goal is to raise funds for your project, you don’t necessarily have to include it in the discussion. Also, money is not going to help you convince your audience to support you.
  • Take care of the appearance of your paper. Needless to say, it should be presentable, clean, and professional. Since you are not being given the chance to personally talk (unless your concept note earns the approval of your audience), your concept note will represent you. How it looks will mirror you and your team’s names and personalities. Also, since it is a business document, make it look like one. Observe proper margins, and use the right font and spacing. Check for errors and don’t forget to include your name and contact information on the header. Be keen to details.
  • Don’t send concept notes just because you feel like doing so. There is a very slim chance for a randomly submitted concept note to be accepted. Make sure you have targeted organizations because your chances with them are bigger. However, if you don’t, establish connections through the people you already know. Look for people who are willing to listen to what you have to say.

Guidelines for Preparation of Concept Note Template

  • Make your audience the main focus. It is possible that you’ll be writing different kinds of concept notes. No one is simply alike, so make sure you’re making a note that appeals to its readers.
  • Do not include the budget data unless it has been requested specifically by the client.
  • Mind your language. Be careful with the words you use so as not to come off as a rude and arrogant. Remember, you are writing to convince people and not to offend them.
  • Vanity is good. While it’s true that it is merely a paper, appearance still matters here. Things like font size, spelling and structure. Arrange everything properly for maximum effect. Checkout some sample templates for visual reference.

CONCEPT NOTE TITLE :Elephant population dynamics in relation to change in the structure and composition of Woody vegetation in Amboseli Ecosystem

INTRODUCTION • Considerable progress has been made by both NGO’s and the Kenyan government in conserving the environment, particularly the Amboseli Ecosystem. Elephants which were the main target of poachers in 1980’s because of booming ivory trade are now enjoying protection from both the government and other stake holders, except a few cases of human elephant conflicts.

However, as Elephant numbers continue to increase the Woody vegetation continue to lose its richness. Though Elephants are not the sole loss of Woody vegetation, they contribute immensely to changes in the structure and the composition of trees and shrubs in Amboseli. They mainly depend on Woody vegetation for shelter and food.

Increase in Elephant population translates to increase in grazing pressure, hence decrease in composition of Woody vegetation. It is projected that if the current trend continues, Woody vegetation will be exhausted, Elephants will reduce drastically or be rendered extinct.

PROBLEM STATEMENT • Elephants play a key role in enhancing economic growth through tourism. In the past four decades, Amboseli Ecosystem has experienced increase in the population of Elephants. Though this trend is encouraging, Woody vegetation which is the main food resource for Elephants, has been lost in major parts of Amboseli thus giving rise to Grasslands. Our main concern is how we will ensure that elephant increases as woody vegetation is restored.

OBJECTIVES • To determine the type of Woody Species and classes most affected by Elephants • To determine the movement of Elephants within the Amboseli basin and its adjacent areas. • To show long term changes of Woody vegetation in Amboseli. • To quantify the impact of Elephants on the structure and composition of Woody vegetation within Amboseli.

To show the Impacts of seasonal changes on the production of elephants. To compare the long term changes of Elephant population based on gender in Amboseli basin

METHODOLOGY • Our analysis will involve Generalized Linear Models as well as Time Series Analysis techniques.

OUTPUT • Demonstrate the importance of long-term monitoring of large mammals in Amboseli. • Introduce a statistical equation linking Elephant production with changes in Woody vegetation. • Project the status of elephants over time. • Recommend the best ways to increase the composition of Woody vegetation without affecting the production of Elephants.
