Notes on the layout for your reference list:

Layout of page:

  • The reference list starts on a new page, after your assignment and before any appendices. Place the word "References", centered, in bold, at the top of the page. APA does not require other formatting for the title of your reference page (like underlining), but check with your lecturer.
  • Each entry in the reference list has a hanging indent , so that the first line of the entry is flush with the left margin, but all other lines are indented (this is the opposite of the paragraph structure in the body of your essay). Tip: You can do this easily by selecting your references, and pressing Ctrl + T on a PC, or Command (⌘) + T on a Mac. Order of references:

  • For APA the reference list is arranged in alphabetical order of authors' surnames.
  • Arrange by first author's name, then by second author if you have the same first author, etc. ( check the page on Authors for how to lay out the reference if you have more than one author ).
  • If a reference has no author , list it alphabetically according to the title. Ignore the words 'A', 'An' and 'The' at the beginning of a corporate author or title for deciding where it fits alphabetically.
  • N.B. A year without a date is considered to be "older" than a year with a date ("nothing comes before something"), so 2018 will go before 2018, September - and a month without a day will go before a month with a day, so 2018, September will go before 2018, September 12. Please note that the year only is required in-text, so you will need to follow the advice below whenever you have multiple citations in the same year.
  • N.B. If you have a full date, only use the title to order the references if the date is identical. Always use 'a', 'b', etc after the year, if more than one work has been published by the same author in the same year, as this is used in the in-text referencing, e.g. (2019a, April 12), (2019b, March 23). For example:

Format of titles:

  • APA uses sentence case for all titles except for journal titles.
  • Begin each title and subtitle with a capital letter, but only names should be capitalised for all titles other than journal titles.

This list has been single spaced for this guide, but you will probably be asked to double-space your assignment, and that includes the reference list.

Note: the DOIs and URLs in the reference list above should be hyperlinked to the appropriate page, but the code for hyperlinking and the code for mouseover text was not compatible. In your reference list, make sure your DOIs and URLs are hyperlinked to the relevant page.

What is a reference list in APA

Your Reference List should be located on a separate page at the end of your assignment titled: References. It should include the full details of all your in-text references (excluding personal communications), arranged alphabetically A-Z by author surname, see Sample Reference List below. The terms ‘Bibliography’ and ‘Reference List’ are often used interchangeably, however a reference list only includes items you have referenced in your assignment whereas, a bibliography also includes items used to prepare your assignment (check with your lecturer or tutor which they require). Other points to note:

  • List works with no author under the first significant word of the title.
  • Indent second and subsequent lines of each entry (5-7 spaces).
  • Use double spacing.
  • Use the centred heading in bold: 'References'.

Harvard Style Bibliography | Format & Examples

In Harvard style , the bibliography or reference list provides full references for the sources you used in your writing.

  • A reference list consists of entries corresponding to your in-text citations .
  • A bibliography sometimes also lists sources that you consulted for background research, but did not cite in your text.

The two terms are sometimes used interchangeably. If in doubt about which to include, check with your instructor or department.

The information you include in a reference varies depending on the type of source, but it usually includes the author, date, and title of the work, followed by details of where it was published. You can automatically generate accurate references using our free reference generator:

Sources are alphabetised by author last name. The heading ‘Reference list’ or ‘Bibliography’ appears at the top.

Each new source appears on a new line, and when an entry for a single source extends onto a second line, a hanging indent is used:

Reference list or bibliography entries always start with the author’s last name and initial, the publication date and the title of the source. The other information required varies depending on the source type. Formats and examples for the most common source types are given below.

  • Entire book
  • Book chapter
  • Translated book

Journal articles

  • Online-only journal with DOI
  • Online-only journal without DOI
  • General web page
  • Online article or blog

Newspapers and magazines

When a source has up to three authors, list all of them in the order their names appear on the source. If there are four or more, give only the first name followed by ‘ et al. ’:

Sometimes a source won’t list all the information you need for your reference. Here’s what to do when you don’t know the publication date or author of a source.

Some online sources, as well as historical documents, may lack a clear publication date. In these cases, you can replace the date in the reference list entry with the words ‘no date’. With online sources, you still include an access date at the end:

When a source doesn’t list an author, you can often list a corporate source as an author instead, as with ‘Scribbr’ in the above example. When that’s not possible, begin the entry with the title instead of the author:

Though the terms are sometimes used interchangeably, there is a difference in meaning:

  • A reference list only includes sources cited in the text – every entry corresponds to an in-text citation .
  • A bibliography also includes other sources which were consulted during the research but not cited.

In Harvard referencing, up to three author names are included in an in-text citation or reference list entry. When there are four or more authors, include only the first, followed by ‘ et al. ’

In Harvard style referencing , to distinguish between two sources by the same author that were published in the same year, you add a different letter after the year for each source:

  • (Smith, 2019a)
  • (Smith, 2019b)

Add ‘a’ to the first one you cite, ‘b’ to the second, and so on. Do the same in your bibliography or reference list .

To create a hanging indent for your bibliography or reference list :

  • Highlight all the entries
  • Click on the arrow in the bottom-right corner of the ‘Paragraph’ tab in the top menu.
  • In the pop-up window, under ‘Special’ in the ‘Indentation’ section, use the drop-down menu to select ‘Hanging’.
  • Then close the window with ‘OK’.

Formatting Your Reference List

• All documents cited in your assignment must be listed in a single alphabetical list at the end of the assignment.

• The list is arranged by the author's surname, or title if no author is given.

• Only the author's initials are included regardless of the presentation of the author's name in the source document. The given name may be cited in full if it is needed to correctly identify the author; for example, where different authors have the same surname and initials.

• Include the names of all authors unless the authors number more than twenty, in this case include the first nineteen authors' names, then insert three ellipses and follow with the final author's name.

• Authors' names are given in the order in which they appear on the source document - do not rearrange the names of the authors of a multi-authored work into alphabetical order.

• Capitalisation practice should be consistent.

• Titles and subtitles of journal articles, book parts and book titles are given minimal capitalisation. Only the first letter of the first word of the title (and subtitle, if given) and those words that normally have an initial capital (proper nouns) are capitalised.

• Journal titles are given maximal capitalisation. All words other than prepositions, conjunctions, and definite and indefinite articles (a, an, the) are capitalised.

• Journal and book titles are italicised when typed, or underlined when handwritten.

• A hanging indent for each reference makes the alphabetical sequence more obvious.

Provide a DOI number if there is one. DOI stands for "digital object identifier," a number specific to the article that can help others locate the source. Use  CrossRef.org  to locate DOI information. This rule applies regardless of how the source was accessed (e.g., online, paper, etc.; see APA 7, Section 9.34).
In APA 7, format the DOI as a web address. Active hyperlinks for DOIs and URLs should be used for documents meant for screen reading. Present these hyperlinks in blue and underlined text (the default formatting in Microsoft Word), although plain black text is also acceptable. Be consistent in the formatting choice for DOIs and URLs throughout the reference list. (Note that this guidance has changed from APA 6 where all hyperlink formatting was removed and no active links were included. In APA 6, the URLs appeared in plain, black type and did not link out from the document.)

For journal articles that are assigned article numbers rather than page ranges, include the article number in place of the page range.

Found in a common academic research database or in print.

If an article does not have a DOI and you retrieved it from a common academic research database through the university library, there is no need to include any additional electronic retrieval information. The reference list entry looks like the entry for a print copy of the article. Provide the direct web address/URL to a journal article found on the open web, often on an open access journal's website.
In APA 7, active hyperlinks for DOIs and URLs should be used for documents meant for screen reading. Present these hyperlinks in blue and underlined text (the default formatting in Microsoft Word), although plain black text is also acceptable. Be consistent in your formatting choice for DOIs and URLs throughout your reference list. (Note that this guidance has changed from APA 6 where all hyperlink formatting was removed and no active links were included. In APA 6, the URLs appeared in plain, black type and did not link out from the document.)

If the book has an edition number, include it in parentheses after the title of the book. If the book does not list any edition information, do not include an edition number. The edition number is not italicized. (Note: In APA 6, the location of the publisher was included. This is no longer the case in APA 7; only the publisher name is provided.) Regarding publisher name, when a publisher is named after a person (as is the case with Lawrence Erlbaum or John Wiley), list only the surname (Erlbaum or Wiley). In addition, exclude “Publishers,” “Inc.,” and “Co.” from publisher names in reference entries.

In APA 7, if the author and publisher are the same, only include the author in its regular place and omit the publisher. (Note that this is a change from APA 6, where the term “Author” was used for the publisher instead of repeating the name.)

As a change from APA 6 to APA 7, it is no longer necessary to include the ebook format in the title. However, if you listened to an audiobook and the content differs from the text version (e.g., abridged content) or your discussion highlights elements of the audiobook (e.g., narrator's performance), then note that it is an audiobook in the title element in brackets. For ebooks and online audiobooks, also include the DOI number (if available) or nondatabase URL but leave out the electronic retrieval element if the ebook was found in a common academic research database, as with journal articles. APA 7 allows for the shortening of long DOIs and URLs, as shown in this example. See APA 7, Section 9.36 for more information.

When a text has been republished as part of an anthology collection, after the author’s name include the date of the version that was read. At the end of the entry, place the date of the original publication inside parenthesis along with the note “original work published.” For in-text citations of republished work, use both dates in the parenthetical citation, original date first with a slash separating the years, as in this example: Freud (1923/1961). The general structure for a technical or research report is as follows:

Technical and research reports by governmental agencies and other research institutions usually follow a different publication process than scholarly, peer-reviewed journals. However, they present original research and are often useful for research papers. Sometimes, researchers refer to these types of reports as gray literature , and white papers are a type of this literature. See APA 7, Section 10.4 for more information.

An e-book retrieved from an academic database that does not have a DOI (Digital Object Identifier) is referenced as though it were the print version, as above. (A DOI is a unique alphanumeric string that identifies content and provides a persistent link to its location on the internet. DOIs can be found in database records and the reference lists of published works).

“Pre-print”, “In press” and “advanced online publication” usually refer to articles that have been accepted for publication, but may not yet have been assigned to a publication volume/issue. These articles can be cited using the year of online publication and the DOI.

arXiv is a collection facility for scientific 'e-prints'. Some of them have been published and some have not. APA recommends updating your references when you're close to finishing your assignment. If you've cited a preprint that has since been published, cite the published journal article.

In the example below, you will see that the title is in italics. This is because it hasn't yet been accepted in a journal and is, therefore, considered a stand-alone work.

Wikipedia is a free online encyclopaedia, created and edited by volunteers around the world. It is not a scholarly source, so your lecturer may not be happy for you to use it as a source in your assignments. Scholarly assignments should generally rely on peer-reviewed and other scholarly work vetted by experts in the field. However, it may be a good starting point for you in your research to find citations to original source materials that you do want to use.

Wikipedia is a constantly changing site, so cite an archived version of the page, if you can (select 'view history' and then the date of the version you used). If it doesn't have a permanent link to an archived version of the page, include a URL for the entry and the retrieval date.

If you are citing an illustration, figure, diagram or table, start with the source in which it appeared. For example, i f you are referencing an image printed in a book, you first mention the image in-text, indicating the name and creator of the image, and the book in which it can be found, along with the page details.  The reference list entry will be for the whole article or book.

What is a reference list?

A Reference List is an indication of all of the sources that you used to write your research paper. This includes anything that you summarize, paraphrase, or quote in your assignment. If you borrow an idea to include in your paper, you need to make a reference to the source of the idea in your reference list.

Why are reference lists important?

Reference lists are important for three main reasons:

  • To give credit to the authors for the contribution of their ideas and research to your assignment.
  • To lend credibility to your assignment by demonstrating you used high-quality sources to support your points.
  • To avoid plagiarism.

Here are the characteristics of a reference list:

  • It appears at the end of your research paper on a separate page.
  • Each entry on your list includes the bibliographic information (author, year, title, source) so that your readers can find the sources.
  • Reference lists are organized alphabetically by author’s last name.
  • There are different citation styles of reference lists. Common citation styles at Sheridan include APA (often used in business programs), MLA  (often used in arts programs), and  AMA  (often used in medical programs) to name a few.
  • There are different ways (rules) for listing different source types that you use to research and write your essay. For example, the rules for listing a website are different than the rules for listing a newspaper article.

To create an accurate reference list entry, you will need to decide which citation style you will use and then determine the type of source you are working with (book, magazine, blog, etc). It is important to carefully follow the order, capitalization, punctuation, and font formatting for your style and source type.

As mentioned already, the citation style you use often depends on the program you are taking and sometimes even the course. Always check with your professor to see if a specific citation style is expected for your assignment reference list.

Reference list format

  • Requirements for line spacing in assignment reference lists can vary so it is important to check with your lecturer or unit/assignment guide for what the requirements are.
  • The APA 6th Style manual specifies the following for the reference list.
  • The word References should appear in bold in upper and lower case and be centred at the top of the page
  • All reference entries should be double-spaced
  • All references should be in a " hanging indent " format. (This means that the first line of each reference is flush against the left margin and the subsequent lines of each reference are indented ).
  • Unless otherwise advised, the APA style above should be used.

How do I write a reference list or bibliography?

Check your style Make sure you know what style you need to use to make sure you have the right information

Look for missing information You need your references to be complete, so check that there are no gaps

Use referencing software This will make the whole process easier and quicker

Referencing is a two-part process. In addition to the citations within the text, you also need a list with a full reference for each source you have used. This list should contain all the information needed to find each piece of research. Correct citing and referencing should guide your reader to the sources of your information and evidence .

What's the difference between a reference list and a bibliography?

Reference list.

A reference list is a list of everything that you have cited in your work.

The list will be drawn from everything that you have either paraphrased or quoted in your assignment.

Bibliography

This is a list of everything that you have cited in your work and any other sources that you might have consulted during your research but have chosen not to cite in the assignment.

Whether you are asked to provide a reference list or a bibliography, both should provide accurate and full references. You need to give enough information that people can easily find your reference. It will vary depending on the type of material you need to reference, but you will always need to include the author, date of publication and title.

For books, you’ll need to include information on the publisher. For journals you’ll need to include facts on the journal itself - journal title and volume, issue and page numbers. For other types of reference you’ll need different pieces of information.

The more academic work you read, the more you will get used to recognising different types of reference.

The easiest thing to do is use some reference management software. For undergraduates, we suggest RefWorks . RefWorks is available online and free for you to use. It will manage the references for you but you’ll still need to make sure that the information that you put in is accurate.

The information you need to include in your reference will vary according to the style you’re using – make sure you know which style your department uses.

  • If you have more than one appendix you would name the first appendix Appendix A, the second Appendix B, etc.
  • The appendices should appear in the order that the information is mentioned in your essay
  • Each appendix begins on a new page

Quick Rules for an APA Reference List

Your research paper ends with a list of all the sources cited in the text of the paper. Here are nine quick rules for this Reference list.

  • Start a new page for your Reference list. Center the title, References, at the top of the page.
  • Double-space the list.
  • Start the first line of each reference at the left margin; indent each subsequent line five spaces (a hanging indent).
  • Put your list in alphabetical order. Alphabetize the list by the first word in the reference. In most cases, the first word will be the author’s last name. Where the author is unknown, alphabetize by the first word in the title, ignoring the words a, an, the.
  • For each author, give the last name followed by a comma and the first (and middle, if listed) initials followed by periods.
  • Italicize the titles of these works: books, audiovisual material, internet documents and newspapers, and the title and volume number of journals and magazines.
  • Do not italicize titles of most parts of works, such as: articles from newspapers, magazines, or journals / essays, poems, short stories or chapter titles from a book / chapters or sections of an Internet document.
  • In titles of non-periodicals (books, videotapes, websites, reports, poems, essays, chapters, etc), capitalize only the first letter of the first word of a title and subtitle, and all proper nouns (names of people, places, organizations, nationalities).
  • If a web source (not from the library) is not a stable archived version, or you are unsure whether it is stable, include a statement of the accessed date before the link.

This resourse, revised according to the 7 th  edition APA Publication Manual, offers basic guidelines for formatting the reference list at the end of a standard APA research paper. Most sources follow fairly straightforward rules. However, because sources obtained from academic journals  carry special weight in research writing, these sources are subject to special rules . Thus, this page presents basic guidelines for citing academic journals separate from its "ordinary" basic guidelines. This distinction is made clear below.

Note:  Because the information on this page pertains to virtually all citations, we've highlighted one important difference between APA 6 and APA 7 with an underlined note written in red.  For more information, please consult the   Publication Manual of the American Psychological Association , (7 th  ed.).

Formatting a Reference List

Your reference list should appear at the end of your paper. It provides the information necessary for a reader to locate and retrieve any source you cite in the body of the paper. Each source you cite in the paper must appear in your reference list; likewise, each entry in the reference list must be cited in your text.

Your references should begin on a new page separate from the text of the essay; label this page "References" in bold, centered at the top of the page (do NOT underline or use quotation marks for the title). All text should be double-spaced just like the rest of your essay.

Basic Rules for Most Sources

  • All lines after the first line of each entry in your reference list should be indented one-half inch from the left margin. This is called hanging indentation.
  • All authors' names should be inverted (i.e., last names should be provided first).
  • For example, the reference entry for a source written by Jane Marie Smith would begin with "Smith, J. M."
  • If a middle name isn't available, just initialize the author's first name: "Smith, J."
  • Give the last name and first/middle initials for all authors of a particular work up to and including 20 authors ( this is a new rule, as APA 6 only required the first six authors ). Separate each author’s initials from the next author in the list with a comma. Use an ampersand (&) before the last author’s name. If there are 21 or more authors, use an ellipsis (but no ampersand) after the 19th author, and then add the final author’s name.
  • Reference list entries should be alphabetized by the last name of the first author of each work.
  • For multiple articles by the same author, or authors listed in the same order, list the entries in chronological order, from earliest to most recent.
  • Note again that the titles of academic journals are subject to special rules. See section below.
  • Italicize titles of longer works (e.g., books, edited collections, names of newspapers, and so on).
  • Do not italicize, underline, or put quotes around the titles of shorter works such as chapters in books or essays in edited collections.

Basic Rules for Articles in Academic Journals

  • Present journal titles in full.
  • Italicize journal titles.
  • For example, you should use  PhiloSOPHIA  instead of  Philosophia,  or  Past & Present   instead of  Past and Present.
  • This distinction is based on the type of source being cited. Academic journal titles have all major words capitalized, while other sources' titles do not.
  • Capitalize   the first word of the titles and subtitles of   journal articles , as well as the   first word after a colon or a dash in the title, and   any proper nouns .
  • Do not italicize or underline the article title.
  • Deep blue: The mysteries of the Marianas Trench.
  • Oceanographic Study: A Peer-Reviewed Publication

Please note:  While the APA manual provides examples of how to cite common types of sources, it does not cover all conceivable sources. If you must cite a source that APA does not address, the APA suggests finding an example that is similar to your source and using that format.   • show that you are writing from a position of understanding of your topic.
  • demonstrate that you have read widely and deeply.
  • enable the reader to locate the source of each quote, idea or work/evidence (that was not your own).
  • avoid plagiarism and uphold academic honesty.

It is not intended to be an example of good quality academic writing, and indeed may not make sense in general, but it should show you how citations and a reference list are formed in the Harvard style of referencing (Cameron 2021). If you include a “direct quotation from a book you have read” (Giddens and Sutton 2021, p.117) you should include the relevant page number.

You don’t always have to write the author and year in brackets. Cameron (2021) explains that if the author’s name occurs naturally in the text then the year follows it in brackets. If there are two authors you should include both of them in the citation (Levine and Munsch 2021). If there are three or more authors you don’t have to list all of the names in the citation but you should include them all in the reference list (Robbins et al. 2020). The reference list should appear at the end of your assignment and be in alphabetical order based on the first author’s surname (Bruen 2022) rather than the order in which they appear in your assignment ( Papagiannis  2022). If you are using a citation for a second time you do not need to include it twice in the reference list (Cameron 2021).

Referencing an academic journal that you find online requires more information in the reference list but uses the same format for citing as other sources (Tesseur 2022). If referencing a source from a library database you say from which database you found it (Mayombe 2021).

How Business Units Work with Reference Data Sets

Reference data sharing enables you to group set-enabled reference data such as jobs or grades to share the data across different parts of the organization.

Sets also enable you to filter reference data at the transaction level so that only data assigned to certain sets is available to be selected. To filter reference data, Oracle Fusion Human Capital Management (HCM), applications use the business unit on the transaction. To set up reference data sharing in Oracle Fusion HCM, you create business units and sets, and then assign the sets to the business units.

Common Set Versus Specific Sets

Some reference data in your organization may be considered global, and should therefore be made available for use within the entire enterprise. You can assign this type of data to the Common Set, which is a predefined set. Regardless of the business unit on a transaction, reference data assigned to the Common Set is always available, in addition to the reference data assigned to the set that corresponds to the business unit on the transaction.

Other types of reference data can be specific to certain business units, so you can restrict the use of the data to those business units. In this case, you can create sets specifically for this type of data, and assign the sets to the business units.

Business Unit Set Assignment

When you assign reference data sets to business units, you assign a default reference data set to use for all reference data types for that business unit. You can override the set assignment for one or more data types.

Example: Assigning Sets to Business Units

InFusion Corporation has two divisions: Lighting and Security, and the divisions each have two locations. Each location has one or more business functions.

When deciding how to create business units, InFusion decides to create them using the country and business function level. Therefore, they created the following business units:

Because locations, departments, and grades are specific to each business unit, InFusion does not want to share these types of reference data across business units. They create a reference data set for each business unit so that data of those types can be set up separately. Because the jobs in the Sales business function are the same across many locations, InFusion decides to create one additional set called Jobs. They override the set assignment for the Jobs reference data group and assign it to the Jobs set. Based on these requirements, they create the following sets:

Sales_Japan_Set

Mktg_Japan_Set

Sales_US_Set

Sales_UK_Set

Mktg_India_Set

Sales_India_Set

The following table describes the default set assignment and the set assignment overrides for each business unit in InFusion:

When setting up grades, departments, and locations for the business units, InFusion assigns the data to the default set for each business unit. When setting up jobs, they assign the Jobs set and assign the Common Set to any jobs that may be used throughout the entire organization.

When using grades, departments, and locations at the transaction level, users can select data from the set that corresponds to the business unit they enter on the transaction, and any data assigned to the Common Set. For example, for transactions for the Marketing_Japan business unit, grades, locations, and departments from the Mktg_Japan_Set is available to select, as well as from the Common Set.

When using jobs at the transaction level, users can select jobs from the Jobs set and from the Common Set when they enter a sales business unit on the transaction. For example, when a manager hires an employee for the Sales_India business unit, the list of jobs is filtered to show jobs from the Jobs and Common sets.
