The little-known truth about cover letters is: You do NOT always need to include a cover letter when applying for jobs, and you may be wasting hours sending cover letters that employers won’t read.

So if you’re wondering whether you should always submit a cover letter with your job application and resume, then keep reading.

After working for years as a recruiter , I’m going to share the exact situations where you should provide a cover letter and the situations where it’s not needed.

Should You Always Submit a Cover Letter?

Many people on LinkedIn and other sites will tell you that you should include a cover letter every time because it “can’t hurt,” but that’s not true…

Here’s how it CAN hurt you…

Writing a great cover letter takes a LOT of time and mental energy. So if it’s not making a difference, or not even getting read, then it  is hurting you in terms of wasted time and energy (I’d argue that writing a cover letter is the toughest and most time-consuming part of the process for many job seekers).

How important is a cover letter

Writing a resume is tough, sure. But once you get it, you’re done. You spend 5-15 minutes tailoring it for each specific job you apply for, but that’s it.

Cover letters take a lot of time EVERY time (at least when done right).

That’s why it’s important to look at how important a cover letter is, and which situations it’s necessary and truly beneficial in.

3 Situations Where You Need to Send a Cover Letter:

There are a couple of specific scenarios where cover letters are necessary, and you should send one. This article by Harvard Business Review says it best:

In those cases, according to Harvard Business Review, you can boost your chances of getting the interview by writing a short letter to point out similarities between your resume and the job requirements (e.g. why you’d do well in their job )… rather than leaving the analysis entirely up to the hiring manager.

But this is only worth doing if you meet one or more of the criteria above, or a few other situations I’ll explain below…

Two more cases where you may want to include a cover letter:

First, you should send a cover letter if an employer specifically says it’s required on their website or job application form (however, having an optional field to include it is not the same as asking for it or saying it’s required).

And second, you should send a letter if you have a large gap in employment or something unusual in your background that you feel the need to explain, and you don’t feel your resume explains it well enough on its own.

(Although I do like addressing gaps in employment directly on your resume employment history section when possible. For example, if you took a year off to raise a kid, you could say: “2018-2019: One-year break from work to raise first child.” So do try to explain this type of thing on your resume if you can!)

When You Don’t Need a Cover Letter:

If you don’t fall into any of the situations we looked at above, then a cover letter is not needed.

For example, if you’re just applying for jobs online via job boards , via LinkedIn, on company websites via their “careers” page, etc., then I’d skip it! Send your resume and let it speak for itself. (And if you don’t have a great resume yet, you can get help  here. )

In my opinion, the extra time and effort just isn’t worth it when you’re applying online with no prior relationship, no referral, and no special knowledge of the hiring manager or job requirements that you can use to make your case for why they should interview you.

This is one reason I love LinkedIn EasyApply as a part of an online job search – because a cover letter is not required or even expected.

Of course, the final judgment call is yours!

If you’re applying to your dream employer and you don’t mind spending an hour writing up a great cover letter, then go ahead! It can’t hurt in a one-off scenario like this.

But the main point I’m trying to make here is:

You should be selective about when to send a cover letter, rather than feeling obligated to send it by default.

Recap: How Important is a Cover Letter?

The answer to how important a cover letter is depends on the hiring process and situation. If you read the information above, you now know when a cover letter is necessary/recommended, and when you probably shouldn’t bother.

And you’ve seen that cover letters do matter in some cases, but that doesn’t mean that you always need to send a cover letter.

And as mentioned earlier, the main benefit of this approach is time savings…

When you look at how much time and effort goes into writing each of these letters, it can add up to hours or days of wasted time if you’re sending cover letters without analyzing whether it’s necessary for the situation.

Tips for Writing a Good Cover Letter:

Now that we’ve answered whether a cover letter is necessary, and when it’s important, here are some tips and resources to help you in situations where you decide a cover letter is needed:

First, I’d always recommend keeping it brief, easy to read (no huge paragraphs or blocks of text without spacing), and personal.

It should feel like you’re talking directly to them! That means start with “Dear Bethany”, (for example), not with, “Dear Hiring Manager” or “Dear Recruiter”.

(Recruiters almost never care about a cover letter anyway. It should be for the hiring manager).

Also, make sure you’re saying the word “you” at least as often as you say the word “I”. Talk about their needs and their company, not just about yourself .

The purpose of your cover letter is to point out similarities between your background and the employer’s job requirements. You want to demonstrate why you’re likely to succeed in their specific role, to sell them on interviewing you! And you cannot do this without researching their job and understanding/discussing their job. So this letter isn’t just about you , it’s about them just as much.

Good stuff Biron! This is why Career Sidekick is my go-to career blog, I really admire how you take a contrarian approach to conventional job search/career wisdom!

Seems like almost every other career blog advises you to always submit a cover letter. Too bad these folks don’t consider the most important asset we all have: time!

Would being graduated out of college for 1.5 years and haven’t “launched” your career yet – getting a job in the field you got a degree in – count as something “unusual on your background” that you would need a cover letter for?

Thanks for the kind words. I don’t think you’d need a cover letter for this. Just make sure to “tailor” your resume to show the most relevant pieces of the work you have done, and to show your relevant educational background/degree. But if you’re not getting results with your resume, then it’s worth testing/trying a cover letter. My guess is that it’s not needed, and perfecting your resume will get more interviews.

If I understand you correctly, is this an instance where you would recommend NOT using a chronological work history on a resume then?

And instead break up work experience history into a “relevant” and “other work experience” sections, since we’re trying to show specific relevant pieces of experience and educational background/degree?

I’d still keep it chronological. Just show the most relevant pieces of each past role, for the job you want now.

How about in my situation? I am looking for a job in marketing, but it has been five years and a few jobs since marketing has been the primary function of my job. My last few jobs have had a very little marketing focus and have been training, technical or sales in focus. Should I always write a cover letter to explain this when I am applying for marketing jobs?

A cover letter is a document that you submit as part of your job application, alongside your resume or CV.

The purpose of a cover letter is to introduce you and briefly summarize your professional background. On average, it should be around 250 to 400 words long .

A good cover letter is supposed to impress the hiring manager and convince them you’re worth interviewing as a candidate.

So, how can your cover letter achieve this?

First of all, it should complement your resume, not copy it. Your cover letter is your chance to elaborate on important achievements, skills, or anything else that your resume doesn’t give you the space to cover. 

For example, if you have an employment gap on your resume, the cover letter is a great place to explain why it happened and how it helped you grow as a person. 

If this is your first time writing a cover letter, writing about yourself might seem complicated. But don’t worry—you don’t need to be super creative or even a good writer .

All you have to do is follow this tried and tested cover letter structure:

  • Header. Add all the necessary contact information at the top of your cover letter.
  • Formal greeting. Choose an appropriate way to greet your target audience.
  • Introduction. Introduce yourself in the opening paragraph and explain your interest in the role.
  • Body. Elaborate on why you’re the best candidate for the job and a good match for the company. Focus on “selling” your skills, achievements, and relevant professional experiences.
  • Conclusion. Summarize your key points and wrap it up professionally.

When Should You Write a Cover Letter?

You should always include a cover letter in your job application, even if the hiring manager never reads it. Submitting a cover letter is as important as submitting a resume if you want to look like a serious candidate.

If the employer requests a cover letter as part of the screening process, not sending one is a huge red flag and will probably get your application tossed into the “no” pile immediately.

On the other hand, if the job advertisement doesn’t require a cover letter from the candidates, adding one shows you went the extra mile.

Putting in the effort to write a cover letter can set you apart from other candidates with similar professional experience and skills, and it could even sway the hiring manager to call you for an interview if you do it right.

How to Write the Perfect Cover Letter

Now that you know what a cover letter is, it’s time to learn how to write one!

We’ll go through the process in detail, step by step.

#1. Choose the Right Cover Letter Template

A good cover letter is all about leaving the right first impression.

#2. Put Contact Information in the Header

As with a resume, it’s important to 

start your cover letter

 with your contact details at the top. These should be in your cover letter’s header, separated neatly from the bulk of your text.

Here, you want to include all the essential contact information , including:

  • Full Name. Your first and last name should stand out at the top.
  • Job Title. Match the professional title underneath your name to the exact job title of the position you’re applying for. Hiring managers often hire for several roles at once, so giving them this cue about what role you’re after helps things go smoother.
  • Email Address. Always use a professional and easy-to-spell email address. Ideally, it should combine your first and last names.
  • Phone Number. Add a number where the hiring manager can easily reach you.
  • Location. Add your city and state/country, no need for more details.
  • Relevant Links (optional). You can add links to websites or social media profiles that are relevant to your field. Examples include a LinkedIn profile , Github, or an online portfolio.

Then it’s time to add the recipient’s contact details, such as:

  • Hiring Manager's Name. If you can find the name of the hiring manager, add it.
  • Hiring Manager's Title. While there’s no harm in writing “hiring manager,” if they’re the head of the department, we recommend you use that title accordingly.
  • Company Name. Make sure to write the name of the company you're applying to.
  • Location. The city and state/country are usually enough information here, too.
  • Date of Writing (Optional). You can include the date you wrote your cover letter for an extra professional touch.

#3. Address the Hiring Manager

Once you’ve properly listed all the contact information, it’s time to start writing the content of the cover letter.

The first thing you need to do here is to address your cover letter directly to the hiring manager.

In fact, you want to address the hiring manager personally .

Forget the old “Dear Sir or Madam” or the impersonal “To Whom It May Concern.” You want to give your future boss a good impression and show them that you did your research before sending in your application.

No one wants to hire a job seeker who just spams 20+ companies and hopes something sticks with their generic approach

So, how do you find out who’s the hiring manager?

First, check the job ad. The hiring manager’s name might be listed somewhere in it.

If that doesn’t work, check the company’s LinkedIn page. You just need to look up the head of the relevant department you’re applying to, and you’re all set.

For example, if you’re applying for the position of Communication Specialist at Novorésumé. The hiring manager is probably the Head of Communications or the Chief Communications Officer.

Here’s what you should look for on LinkedIn:

And there you go! You have your hiring manager.

But let’s say you’re applying for a position as a server . In that case, you’d be looking for the “restaurant manager” or “food and beverage manager.”

If the results don’t come up with anything, try checking out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Make sure to address them as Mr. or Ms., followed by their last name. If you’re not sure about their gender or marital status, you can just stick to their full name, like so:

  • Dear Mr. Kurtuy,
  • Dear Andrei Kurtuy,

But what if you still can’t find the hiring manager’s name, no matter where you look?

No worries. You can direct your cover letter to the company, department, or team as a whole, or just skip the hiring manager’s name.

  • Dear [Department] Hiring Manager
  • Dear Hiring Manager
  • Dear [Department] Team
  • Dear [Company Name]

#4. Write an Eye-Catching Introduction

First impressions matter, especially when it comes to your job search.

Hiring managers get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The biggest problem with most opening paragraphs is that they’re usually extremely generic. Here’s an example:

  • My name is Jonathan, and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a Sales Manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say anything except the fact that you’ve worked the job before.

And do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start with some of your top achievements to grab the reader’s attention. And to get the point across, the achievements should be as relevant as possible to the position.

Your opening paragraph should also show the hiring manager a bit about why you want this specific job. For example, mention how the job relates to your plans for the future or how it can help you grow professionally. This will show the hiring manager that you’re not just applying left and right—you’re actually enthusiastic about getting this particular role.

Now, let’s make our previous example shine:

Dear Mr. Smith,

My name’s Michael, and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked as a Sales Representative with Company X, another fin-tech company , for 3+ years, where I generated an average of $30,000+ in sales per month and beat the KPIs by around 40%. I believe that my previous industry experience, passion for finance , and excellence in sales make me the right candidate for the job.

The second candidate starts with what they can do for the company in the future and immediately lists an impressive and relevant achievement. Since they’re experienced in the same industry and interested in finance, the hiring manager can see they’re not just a random applicant.

From this introduction, it’s safe to say that the hiring manager would read the rest of this candidate’s cover letter.

#5. Use the Cover Letter Body for Details

The next part of your cover letter is where you can go into detail about what sets you apart as a qualified candidate for the job.

The main thing you need to remember here is that you shouldn’t make it all about yourself . Your cover letter is supposed to show the hiring manager how you relate to the job and the company you’re applying to.

No matter how cool you make yourself sound in your cover letter, if you don’t tailor it to match what the hiring manager is looking for, you’re not getting an interview.

To get this right, use the job ad as a reference when writing your cover letter. Make sure to highlight skills and achievements that match the job requirements, and you’re good to go.

Since this part of your cover letter is by far the longest, you should split it into at least two paragraphs.

Here’s what each paragraph should cover:

Explain Why You’re the Perfect Candidate for the Role

Before you can show the hiring manager that you’re exactly what they’ve been looking for, you need to know what it is they’re looking for.

Start by doing a bit of research. Learn what the most important skills and responsibilities of the role are according to the job ad, and focus on any relevant experience you have that matches them.

For example, if you’re applying for the position of a Facebook Advertiser. The top requirements on the job ad are:

  • Experience managing a Facebook ad budget of $10,000+ / month
  • Some skills in advertising on other platforms (Google Search + Twitter)
  • Excellent copywriting skills

So, in the body of your cover letter, you need to show how you meet these requirements. Here’s an example of what that can look like:

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $40,000+ . As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. I created the ad copy and images, picked the targeting, ran optimization trials, and so on.

Other than Facebook advertising, I’ve also delved into other online PPC channels, including:

  • Google Search

Explain Why You’re a Good Fit for the Company

As skilled and experienced as you may be, that’s not all the hiring manager is looking for.

They also want someone who’s a good fit for their company and who actually wants to work there.

Employees who don’t fit in with the company culture are likely to quit sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary , so hiring managers vet candidates very carefully to avoid this scenario.

So, you have to convince the hiring manager that you’re passionate about working with them.

Start by doing some research about the company. You want to know things like:

  • What’s the company’s business model?
  • What’s the company’s product or service? Have you used it?
  • What’s the company’s culture like?

Chances are, you’ll find all the information you need either on the company website or on job-search websites like Jobscan or Glassdoor.

Then, pick your favorite thing about the company and talk about it in your cover letter.

But don’t just describe the company in its own words just to flatter them. Be super specific—the hiring manager can see through any fluff.

For example, if you’re passionate about their product and you like the company’s culture of innovation and independent work model, you can write something like:

I’ve personally used the XYZ Smartphone, and I believe that it’s the most innovative tech I’ve used in years. The features, such as Made-Up-Feature #1 and Made-Up-Feature #2, were real game changers for the device.

I really admire how Company XYZ strives for excellence in all its product lines, creating market-leading tech. As someone who thrives in a self-driven environment, I truly believe that I’ll be a great match for your Product Design team.

So, make sure to do your fair share of research and come up with good reasons why you're applying to that specific company.

#6. Wrap It Up and Sign It

Finally, it’s time to conclude your cover letter.

In the final paragraph, you want to:

  • Wrap up any points you couldn't make in the previous paragraphs. Do you have anything left to say? If there’s any other information that could help the hiring manager make their decision, mention it here. If not, just recap your key selling points so far, such as key skills and expertise.
  • Express gratitude. Politely thanking the hiring manager for their time is always a good idea.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. This means you should ask the hiring manager to do something, like call you and discuss your application or arrange an interview.
  • Remember to sign your cover letter. Just add a formal closing line and sign your name at the bottom.

Here’s an example of how to end your cover letter :

I hope to help Company X make the most of their Facebook marketing initiatives. I'd love to further discuss how my previous success at XYZ Inc. can help you achieve your Facebook marketing goals. Please don’t hesitate to reach out to me at the provided email address or phone number so that we may arrange an interview.

Once you’re done with your cover letter, it’s time to check if it meets all industry requirements.

  • Did you recap your key selling points in the conclusion?
  • Did you end your cover letter with a call to action?
  • Did you use the right formal closing line and sign your name?

15 Cover Letter Tips

Now you’re all set to write your cover letter! 

Before you start typing, here are some cover letter tips to help take your cover letter to the next level:

  • Customize Your Cover Letter for Each Job. Make sure your cover letter is tailored to the job you're applying for. This shows you're not just sending generic applications left and right, and it tells the hiring manager you’re the right person for the job.
  • Showcase Your Skills. Talk about how your skills meet the company’s needs. And while your hard skills should be front and center, you shouldn’t underestimate your soft skills in your cover letter either.
  • Avoid Fluff. Don’t make any generic statements you can’t back up. The hiring manager can tell when you’re just throwing words around, and it doesn’t make your cover letter look good.
  • Use Specific Examples. Instead of saying you're great at something, give an actual example to back up your claim. Any data you can provide makes you sound more credible, so quantify your achievements. For example, give numbers such as percentages related to your performance and the timeframe it took to accomplish certain achievements.
  • Research the Company. Always take time to learn about the company you're applying to. Make sure to mention something about them in your cover letter to show the hiring manager that you're interested.
  • Follow the Application Instructions. If the job posting asks for something specific in your cover letter or requires a certain format, make sure you include it. Not following instructions can come off as unattentive or signal to the hiring manager that you’re not taking the job seriously.
  • Use the Right Template and Format. Choose the right cover letter format and adapt your cover letter’s look to the industry you’re applying for. For example, if you’re aiming for a job in Law or Finance, you should go for a cleaner, more professional look. But if you’re applying for a field that values innovation, like IT or Design, you have more room for creativity.
  • Express Your Enthusiasm. Let the hiring manager know why you're excited about the job. Your passion for the specific role or the field in general can be a big selling point, and show them that you’re genuinely interested, not just applying left and right.
  • Address Any Gaps. If there are any employment gaps in your resume , your cover letter is a great place to mention why. Your resume doesn’t give you enough space to elaborate on an employment gap, so addressing it here can set hiring managers at ease—life happens, and employers understand.
  • Avoid Quirky Emails. Your email address should be presentable. It’s hard for a hiring manager to take you seriously if your email address is “[email protected].” Just use a [email protected] format.
  • Check Your Contact Information. Typos in your email address or phone number can mean a missed opportunity. Double-check these before sending your application.
  • Mention if You Want to Relocate. If you’re looking for a job that lets you move somewhere else, specify this in your cover letter.
  • Keep It Brief. You want to keep your cover letter short and sweet. Hiring managers don’t have time to read a novel, so if you go over one page, they simply won’t read it at all.
  • Use a Professional Tone. Even though a conversational tone isn’t a bad thing, remember that it's still a formal document. Show professionalism in your cover letter by keeping slang, jargon, and emojis out of it.
  • Proofread Carefully. Typos and grammar mistakes are a huge deal-breaker. Use a tool like Grammarly or QuillBot to double-check your spelling and grammar, or even get a friend to check it for you.

Should You Combine Your Cover Letter and Resume into One Document?

The internet has impacted virtually every area of life, including the job search process. Gone are the days when a job seeker would simply hand an employer a cover letter and resume in paper form. Today, more companies than ever accept digital copies of those job search documents.

In fact, many companies and employers now only accept emailed digital cover letters and resumes so they can make use of applicant tracking systems (ATS). Unfortunately, there’s been little effort to standardize submission processes, and that can make it a little confusing for the average job seeker.

For example, how should you submit your emailed resume and cover letter? Should you send them separately or combine them into one document? In this post, we’ll examine both options and offer the advice you need to make the best decision.

What’s the difference between a cover letter and resume?

Before you decide whether to combine your cover letter and resume into one document, it is helpful to make sure that you fully understand each of these important tools. The fact is that each of these documents has its own role to play in the job search process, and they have some major differences:

Each of these documents serves a distinct purpose in the job search process. Resumes are designed to provide an employer with an easy way to quickly assess your qualifications. The main purpose of a cover letter is to help the employer understand your motivations, goals, and personality. Both are important documents, but they are not interchangeable.

Your cover letter should be a targeted document that focuses on your qualifications for a specific job role. It should contain information about why you are the best candidate for the position and what you hope to achieve for the employer if you are hired. Your resume is more of a marketing tool that highlights your skills, relevant work experience , and educational qualifications in an easily digested summarized format.

Structure and format

These two documents also have dramatically different structures and formats . Your resume will be divided into specific sections for easier consumption and will include bullet point lists of relevant skills and achievements. Cover letters look more like any other written communication, conveying your message in full sentences and paragraphs.

Cover letter and resume: to combine or not to combine?

Let’s get right to the main question here: should you combine your cover letter and resume into one document? As a general rule, you should try to avoid it wherever possible. Since resumes and cover letters serve two very different roles in the job search process, they should be treated as separate documents. The only time you should even consider combining these two documents is when the company has instructed you to do so.

Review the instructions

Whenever possible, it’s a good idea to get the submission guidelines for the position straight from the source. That means asking the company’s hiring manager how your resume and cover letter should be sent. If there are clear instructions, it’s important to follow them to the letter to maximize your chances of receiving the right type of attention. On those rare occasions when a company wants a combined document, the job posting will usually include that instruction.

Why you should not combine these two documents

In most instances, however, you will discover that the instructions are vague. Perhaps the only instruction is that your resume must be emailed. If that’s the case, then you should always choose to leave these two documents as separate files. There are several very good reasons to do so:

If you include these two tools in one document, applicant tracking systems may reject it. That can happen if the ATS mistakes your cover letter for a resume and assesses it based on its rules for resume approval.

Hiring managers often want to go directly to your resume to review your qualifications. If your cover letter is part of that document, it could be a distraction that frustrates your reader.

Your cover letter and resume serve different purposes. Keeping them separate helps to ensure that each document receives the attention it deserves.

What if employers request that your cover letter and resume be combined?

As we noted above, there may be times when a specific employer requests that a resume and cover letter be sent as one document. Obviously, that request should be honored if you want to be considered for an interview. The important thing then is to ensure that you combine them properly. The following tips can help:

Decide which document you want the employer to see first

Since the cover letter serves as your introduction, there is a case to be made for putting it in the front of the resume. If you want to make sure that the ATS scores your resume properly, however, you may want to put the resume at the beginning of the document. That can also help hiring managers quickly access your qualifications.

Create a new document

Make sure that you create an entirely new document for your combined file. That will enable you to keep them separate for other companies and submissions. Then copy and paste your resume and cover letter into this new document. Be sure to save the file with an appropriate file name. For example: JohnSmithResumeCoverLetter.docx or JohnSmithResumeCoverLetter.pdf.

Use proper formatting

When you paste each document into your combined file, make sure that you retain the original formatting. Also, be sure to include a page break at the end of the first document so that the next document begins on a fresh page.

Submit the combined file

Once you have your new combined file, submit it to the company. If the online job posting includes submission instructions, follow them to the letter. Otherwise, simply send it to the appropriate email address.

How to email your cover letter and resume

When emailing your cover letter and resume, either include the cover letter as an attachment or copy and paste its text into the email message. Don’t do both. 

It is generally recommended that you submit both the resume and cover letter as file attachments rather than having any part of them in the body of your email message. What you can include in the email text is confirmation that you have attached the resume and cover letter files.

Of course, you also need to decide whether you want to submit a Word document or a PDF file. Once again, review the job board instructions to see what the company is requesting. If there is no specific option listed, then the best thing to do is to submit each document in a Word file.

How and Why to Write a Great Cover Letter

A cover letter is a one-page business letter that you submit when applying to a job, along with your resume. As a piece of persuasive writing, your cover letter will aim to convey to the employer why you’re a great candidate for the role.

What is the purpose of a cover letter?

Your cover letter complements your resume by making it easy for the employer to see how your experience and interest connect to the position. Your goal is to convince the employer to interview you.

With your cover letter, you’ll aim to:

  • Highlight your qualifications:  You’ll show how your skills and experience relate to the employer’s needs for a specific position.
  • Showcase your motivation: You’ll demonstrate your enthusiasm for the specific position and the organization.
  • Reflect your voice and written communication skills: You’ll give the employer a sense of your personality and writing style.

When should I write a cover letter?

Not all jobs require cover letters. So, how do you decide whether to submit one?

Submit a Cover Letter when…

  • The posting explicitly requests that you do so
  • You’re applying to an opportunity at a mission-driven organization
  • You think that doing so could provide important information to the employer that they wouldn’t get from your resume

Consider Submitting a Cover Letter when…

  • It’s marked “optional” in an application, and you have the bandwidth to do so
  • You have content that you can easily recycle or repurpose into a tailored cover letter

No Need to Submit a Cover Letter when…

  • A posting specifically tells you not to submit one
  • There’s no way to submit one in an application portal, and doing so would require a serious workaround

If you’re applying to several similar opportunities, creating a draft cover letter in advance, geared toward that type of opportunity, can be a helpful way to save time in your actual application process.

How do I write a cover letter?

Your cover letter should articulate your qualifications and motivation for the position. Read the job description closely and research the organization. As you craft your cover letter, use examples that demonstrate your relevant skills, knowledge, and interests. The cover letter should be concise, clear, and well-organized.

Before Writing

Research the employer.

Learn enough about the organization to articulate why you are a strong fit for that firm. 

  • Review the firm’s website and LinkedIn page.
  • Speak with current or previous employees.
  • Read articles and social media for current news.

Analyze the job description

Look for skills, duties, and qualifications of the job so you can design your letter to match these as much as possible.

Reflect on your experience and motivation

Identify skills and personal qualities you have developed which will be useful in this role. Ask yourself:

  • What attracts you about this role/company/industry?
  • What have you have done in your work experiences, classes, internships, activities, projects, volunteer work, travel, etc., that is similar to the duties required of the job? 

Cover Letter Structure

As a business letter, the cover letter should include:

  • Heading: Include your name and contact information in the same format as your resume
  • Salutation: Address your letter to the specific individual who can hire you, if this is known. If the name is not included in the job description, address the letter to the Hiring Manager or title mentioned in the job description.
  • Body Paragraphs:  Discuss your experiences, interests, and skills to show the employer how you can add value to their team. See the section below for more guidance.
  • Signature Line: Include a closing and your name.

The cover letter should be one page, about three or four paragraphs, and single spaced. Use 10-12 point font and one inch margins. 

When applying online, upload your cover letter as a PDF file, unless another format is specified. When sending your resume and cover letter by email, you may write a short note or paste your cover letter in the body of your email (without the address header) and also attach the PDF file.

Cover Letter Content

Your cover letter should answer who, what, when, where and why you are applying for the opportunity. 

Introduction

State the position for which you are applying. If you have a referral or spoke with someone from the company, you can mention it in the introduction. Provide some basic information about yourself; this can include your class year and what you’re studying at Columbia. Briefly outline why you’re interested in the organization and what you bring in terms of relevant experience and skills. 

Body Paragraphs

These paragraphs will highlight your qualifications and strengths that are most relevant to the organization and position. Use the job posting and your research as clues to determine what the employer is seeking in a candidate. Have your resume beside you and reflect on what you want the employer to know about you. Are there experiences you want to expand upon that demonstrate your understanding of the role and ability to do the job requirements?

Structure the paragraphs based on relevance, not chronology. Lead with your most relevant skill or strongest experience.

Start each body paragraph with a clear topic sentence.  This can highlight a key skill set, a transferable experience, or a core area of knowledge you’ve built through your studies. Walk the reader through a project or experience, integrating the relevant skills you used and qualities you demonstrated. Provide details about your accomplishments and impact. Connect how these experiences have prepared you for this role and why you are motivated to do this job. There is no need to apologize if you feel you lack experience; focus on the accomplishments that you have.

Recap what you would bring to the organization and your interest in the position. Thank the employer for their consideration. Keep your tone positive and enthusiastic.

Essential advice for landing your dream job

W hen you’re looking for a new job there’s a lot to figure out: What information should you include on your résumé and what do you need to trim? Is a cover letter really necessary? What are the best answers to the most common interview questions? Do you really need to send a thank you note?Fast Company contributor Judith Humphrey’s book The Job Seeker’s Script offers everything job seekers need to navigate all the unwritten rules of applying for (and hopefully landing) your next dream job. Here’s what she advises:

Preparing for a job hunt

Humphrey advises that before applying for any job, it’s important to focus your search so that you are only applying for jobs you really want. You don’t want to waste your time—and everyone else’s—by applying randomly for 200 jobs. That’s a reciprocate for frustration and a lot of ghosting. She suggests asking yourself these six questions before you start looking for a new job:1. Am I prepared to invest time?2. What are my skills and interests?3. Do I want a new direction?4. What kind of culture do I want to work in?5. What size company do I want?6.  Will I be able to succeed there?

What to include on your résumé

Crafting a compelling résumé is a big topic but a good place to start is by breaking down what sections to include and what should go in those sectionsHumphrey calls the résumé the “key to the kingdom,” or the most important “script” a job seeker creates. In her book she outlines a six-step approach for creating the best attention-getting résumé:

Step 1: Provide contact information and name in bold 18-24 sized type. This could include your phone, city, LinkedIn profile, and website (if relevant).

Step 2: Create your summary statement. This is ideally one sentence. Ask “What’s the one compelling message I want to get across about myself?” Use active verbs.

Step 3: Create a message for each job you’ve held. This should also be one strong sentence. Use active verbs for each job you’ve held and ensure these messages align with your summary statement.

Step 4: Create a set of bullet points under each job. All should all begin with strong verbs (“led,” “built,” “earned,” “exceeded”) and include specific numbers that show your accomplishments.Step 5: Add any other sections, including education and skills.Step 6: Add keywords in a natural way. Reference specific skills and roles, but also keep in mind that Applicant Tracking Systems and AI prefer simple, clear writing and active verbs. (Abbreviations can also trip up these tools, so spell out things like MBA or CFA, just in case.)

How to write a cover letter worth reading

Cover letters can be controversial, as a lot of people think they’re pointless. In recent years there’s been a lot of talk about outsourcing cover letter writing to AI. But Humphrey believes cover letters are important and that job seekers should write one, even when they’re technically not required. She points out that 90% of executives consider cover letters valuable. Here’s why she advises writing a thoughtful cover letter:

  • It gives you the opportunity to show your communication skills.
  • It allows you to show your understanding of the hiring company and the job.
  • It let’s you emphasize the strong connection between the job and your skills and background.
  • Finally, it gives your application a personal touch.

So, if you’re convinced that cover letters are important, Humphrey suggests using these four steps a knockout cover letter:

Step one: Craft your opening line. It explains what you are applying for and your interest or excitement. Step two: Craft your message. It should inspire. Step three: Give the reasons you feel ready for this role. Step four: Conclude with a call to action or next steps.

Nailing the interview

If you’ve found a job that feels like a good fit, and written an impressive résumé and cover letter, hopefully you’ll land the interview. Here’s how to make a good impression. The biggest question people have is how to answer the most common interview questions. Here’s how Humphrey suggests answering the three most common questions:“Tell me about yourself.”“‘Tell me about yourself’ is tough because it is so open-ended,” Humphrey says. “Answering it well requires preparation. In fact, write out in advance your answers to all the questions you think you might be asked. Think about something that will equip you to handle the job and tell a story about that.” “What’s your biggest weakness?”“You don’t want a weakness that disqualifies you from a role,” Humphrey says. But there are two approaches that work: Use the question to talk about a weakness you are working on or discuss a weakness that is actually a strength.“Where do you see yourself in five years?”“Don’t say to the interviewer “’I want your job,’” says Humphrey. “But you can say, “’One of the things I really like about your company is the many opportunities for promotion. I could see myself in Job A ….or Job B….time will tell exactly how I’ll progress.’”

Sealing the deal with a thank you note

Much like the cover letter, there’s a lot of division over the tradition of sending a thank you note after an interview. But many hiring managers say that it makes a good impression and can even be the deciding factor between two candidates.Humphrey says a thank you note should start off with a statement of appreciation. Then it should move to your message: how you loved the discussion, or feel ever more excited about working for that company. Reinforce the message with a few proof points and end with a call to action, or what you’d like to see as next steps in the hiring process.

Depending on the job for which you're applying, you may need to email your resume and cover letter to the hiring manager. That's often the case with smaller employers. For other employers, you'll apply online or via a job board.

What's the easiest way to attach your resume and cover letter to an email message? When you're asked to send a resume or cover letter via email, follow these steps to ensure you have correctly attached your documents, written an email explaining what you are sending and why, added your signature to the email, and included a subject line that will get your message opened and read by the recipient.

Save Your Cover Letter and Resume

When sending your cover letter and resume attachments, the first step is to save your resume as a PDF or a Word document . The job posting should specify how to send the attachment. This way, the receiver will get a copy of the resume in the original format.

If there aren't instructions on how to send your documents, submit your resume as either a Microsoft Word document (.doc or .docx) or as a PDF file. These are the formats most commonly preferred by employers, and it's easy to save the documents and add them as attachments to your email message.

You can either save your cover letter in document format or write it directly in the email message.

Save as a Word Document

If you have word processing software other than Microsoft Word, save your resume as a Word (.doc or .docx) document. File > Save As , should be an option in your program.

Save a Google Doc as a Word Document

If you don't have Microsoft Word, you can save a Word (.docx) version of a Google Doc. Select File > Download and choose Word Document (.docx).

How to Save as a PDF

Whether the employer requests a PDF file or you opt to send a PDF, here's how to convert a document file.

To save a Word document as a PDF:

  • Select  File > Save As  in Microsoft Word.
  • Select  PDF  from the  Format  drop-down menu.

To save a Google Doc as a PDF:

  • Select  File > Download and choose  PDF Document .

Choose a Unique File Name

When saving your document, use your name as the file name , so the employer knows whose resume and cover letter it is, i.e., janedoeresume.doc and janedoecoverletter.doc.

Don't use "resume" as a file name, because it will be hard to differentiate your resume from those of the other applicants.

Include a Subject in the Email Message

The subject line is one of the most important parts of the email messages you send to apply for jobs. If you don't include one, your message may not even get opened. 

Your email message must include a subject line, and it should explain to the reader who you are and what job you are applying for. Be specific, so the recipient knows what he or she is receiving. Employers often hire for many positions at the same time, so include both your name and the job title.

Add a subject to the email message before you start writing it. That way, you won't forget to include it afterward.

If the employer requests additional information, like a job ID number, be sure to include that too.

Write an Email Message to Send With Your Resume

Once you have saved your resume and cover letter and they are ready to send, the next step is to write an email message to send with your documents.

First, open your email account. Then click on Message at the top left of the screen or click on File > New > Message .

You can either write your cover letter as part of the email message or send it as an attachment. Here's how:

Write Directly in the Email

You can either type your cover letter directly into the email message , copy and paste it from a word processing document, or if the company requests an attachment, send your cover letter and resume with the email message. So, your choices are to send a cover letter attachment or to use the email message as your cover letter.

If you are attaching a cover letter, your email message can be brief. Simply state that your resume and cover letter are attached. Offer to provide additional information and let the reader know how you can be contacted.

Be sure to follow the directions in the job posting for how to apply when sending your cover letter and resume or your application may not be considered.

Adding Your Signature To the Email

It is important to include an email signature with your contact information, so it's easy for hiring managers and recruiters to get in touch with you.

Include your full name, your email address, and your phone number in your email signature, so the hiring manager can see, at a glance, how to contact you. If you have a LinkedIn profile , include it in your signature. Do the same with any other social media accounts you use for career and business purposes.

To add your signature to your email message, click on File > Insert > Signature , if you have a signature saved that you use for job searching. If you haven't created an email signature, type your contact information (name, email address, phone, LinkedIn) at the bottom of your message.

Attach Your Resume and Cover Letter to an Email Message

Once your email message is ready to send, you need to attach your resume and cover letter to your message:

Click on Insert > Attach File. Your email client will display a list of files in the default file folder of your computer. If your resume and cover letter are stored in a different folder, click on the appropriate folder.

Click to select the file you want to add to your email message , and then click on Insert to attach the document to your email message. Take the time to carefully proofread the message before you send it.

Before you click Send , send the message to yourself to be sure all the attachments come through, and your email message is perfect.

Send a copy of the message to yourself, as well as to the company, so you have a copy for your records. Add yourself as a Bcc (blind carbon copy) by clicking Bcc and adding your email address.

Then click Send , and your cover letter and your resume will be on their way to the employer.

A cover letter is your chance to stand out from the crowded applicant pool. In this section, you’ll learn nine high-impact tips for crafting a cover letter that highlights your professionalism, aspirations, and qualifications. 

1. Properly format your cover letter.

Proper formatting will help hiring managers easily scan your cover letter for key information, such as your contact information and skills, and also convey your professionalism. From top to bottom, your cover letter should have the following elements: 

Keep to one page only : your cover letter should be one page long. This will keep it focused, impactful, and easily scannable for hiring managers.  

Header at the top: Include a header containing your contact information so hiring managers can easily contact you. 

Greetings: Your cover letter should open with a greeting to the hiring manager. This is a formality that makes your letter more personal. 

Intro: Your cover letter should include a brief introduction that describes who you are, what you are applying for, and your key qualifications. 

Body: The body of your cover letter is where you detail your experience, skills, and education. 

Conclusion/Call to action: Your cover letter should conclude with a call to action, encouraging your reader to contact you.

In this instance, the simpler the email address, the better. Create an email address that is a simple variant of your name with a common free email provider, such as Gmail. 

3. Personalize your greeting. 

While many cover letters are addressed simply “to whom it may concern,” a more impactful way to catch a hiring manager’s attention is by addressing them by name directly. 

In addition to making your cover letter more personal, this tactic highlights that you’ve researched and created a job-specific cover letter rather than sending a generic one. This can positively impact how a hiring manager views your resume and cover letter. 

You can find out who the hiring manager is by doing some straightforward research online. Some job descriptions will instruct you to email a specific person. In other cases, you might need to visit the organization’s website and see if you can identify the person who heads their internship or hiring efforts. 

If this fails, you can also reach out to the organization directly by either email or phone to see if they can provide the name of the hiring manager who will be looking at internship applications. 5. Show how you and the internship are a perfect match. 

The key aim of your cover letter is to demonstrate to the hiring manager why you and the internship are a perfect match for one another. 

As a result, you should craft your letter to emphasize how your skill set and experience have prepared you for the position and why it can help you achieve your professional aims. Remember, an internship is as much an educational opportunity as a work experience, so don’t be afraid to note what the internship offers you and what you offer the internship. 

To identify how you and the internship are a good match for one another, do the following: 

1. Read through the job description and identify the skills and experience you possess. 

2. Identify what experience, skills, or understanding you will gain from the internship.

3. Include these points in your cover letter. 

“After studying Python for the last two years, IBM’s data science internship will finally give me the opportunity to see programming at work in the real world. Throughout secondary school, I’ve spent hours combing through data, creating visualizations, and posing questions to data big and small all by myself. At IBM, I will be a part of a community that takes data seriously, contributing to projects but learning even more.” 

6. Emphasise your education and extracurriculars.

While most jobs require applicants to have some relevant work experience, most internships typically expect applicants to have very little or even none. This is particularly true for internships geared toward high school and college students. 

If you’re a student without much (or any) relevant work experience, you should emphasize your education and extracurricular activities. You’ll be able to highlight your skills, interests, and concrete achievements for hiring managers as much as previous work experience would allow you to do. 

“As a computer science student, I have taken advanced courses on machine learning and programming data structures, achieving top grades in both. Later, I used these skills in the AI club when I taught a machine to visually recognize different hand gestures.” 

7. Use active language and note concrete outcomes. 

One key way to create impactful writing is to use active language that shows the reader how you achieved concrete outcomes. This method will help your reader fully comprehend what you have done and what you have ultimately achieved. 

Active language (also known as active voice) is when the subject of a sentence acts upon an object rather than the object being acted upon by an object. For example, consider the chart below:

As trends change frequently, it’s helpful to review current guidelines.

Writing trends for resumés and cover letters change frequently, so it is advisable to keep up to date with current guidance. Requirements also differ between industries, with the largest variation regarding needs for industry-specific information on technical resumés.

The importance of professional LinkedIn profiles is growing, and you should make sure that your profile on LinkedIn.com is up to date and aligns with any resumé you send out. In several industries now, including IT and HR, it is a normal part of the application process for someone to search for an applicant on LinkedIn and see their details, as recruiters often use premium-access accounts. It can be very helpful to have a complete LinkedIn profile available in English. You can download your LinkedIn profile, as can recruiters, and you should check the output to see whether it is professional, or you need to amend or complete any sections.

A resumé is the most frequently requested type of application document, but many around the world still refer to it as a CV, or curriculum vitae. The terms are used interchangeably, and there is no accepted definition of the difference. The most important thing to know is that the employer’s requirement is paramount; that is, if the job advertisement indicates particular information is required on the resumé by the employer, you should comply with these requests.

  • While the length of a resumé varies considerably across industries and job types, a one-page resumé for a professional role would, in most cases, be seen as too brief; two pages is now considered the norm.
  • A length of up to four pages is still acknowledged as acceptable for someone with significant professional experience, or if including publications or other significant achievements, provided the information is fresh and maintains the reader’s interest.  

Finding widespread agreement over resumé preferences is virtually impossible, as style, format and size are very much viewed from a personal perspective. Recruiters often differ strongly in their opinions about what should appear on a resumé, so, in general, it is best to ensure that the resumé is formatted in a professional way.

  • The consensus is that margins of 2.54 cm (1 inch) are most pleasing to the eye.
  • A font size of around 10 to 12 points is most suitable.
  • Size A4 paper (8.27 inches by 11.69 inches) is used widely; it is slightly longer and narrower in size than US ‘letter-sized’ paper.
  • Your resumé should begin with your name in decent-sized but not huge print, followed by contact details, including address (this can be a postal address only, if necessary), telephone number(s) and email address.
  • If your name might cause gender confusion (i.e., it is not a common name or is a name that might identify with either gender), use a title, such as ‘Mr.’ or ‘Ms.’ before your name or alternatively you can also insert your pronouns below your name ‘She/Her/Hers’.

Contact Details

  • List the best contact telephone number, preferably one where a message can be left.
  • Cell phone numbers are acceptable; you need not include both a home and cell phone number.
  • If using an overseas number, indicate the time difference that exists.
  • Make sure the email address you use on your resumé is professional, preferably with your name in it (e.g., [email protected] or [email protected]).

Keywords or buzzwords

Keyworks or buzzwords can improve your ranking in recruitment databases, and should be included throughout the text of the resumé or in a skills section. These might relate to software packages you have used, such as NVivo (for a researcher) or Adobe Photoshop (for a graphic designer). Use full titles of the programs, and include your skill level and the frequency with which you used the programs. When talking about more generic abilities, such as presentation skills, provide an example of when you employed these skills. In every case, use of keywords should be in context and backed by solid examples. Be aware that technical skills or procedures of many professions are referenced by buzzwords; it is often helpful to use these terms in a resumé, so researching them will be very worthwhile.

If you are a recent graduate, the education section will follow the contact details section, as presumably your degree will be central in the transition to the next job. The education section is followed by notations of specialized training and any employment experiences. On the other hand, an experienced employee would more likely concentrate on jobs, with education appearing toward the end of the document. Both the ‘Education’ and the ‘Employment’ sections should be presented in reverse-chronological order, with the current or most recent activity highest on the list, going backward.

  • Your education section must indicate the most recent tertiary studies undertaken, including degrees earned, majors or specialties, institutions and start/finish dates.
  • The grade point average (GPA), classification or overall grade for the degree can be included, but is not always an important aspect to many employers, and could be omitted if it is not supportive of your application.
  • Do include any positive information, particularly any High Distinction (A or 4.0 and higher) grades, awards received, or positions of responsibility granted during university studies.

Additional training and qualifications are listed after the tertiary information, along with other certificates or professional training. If you took courses specifically relevant to the job or company, make note of a select few under education.

Skills and Attributes

In an increasingly competitive jobs market, employers place more value on generic soft/employability skills than disciplinary or technical skills. That is, employers often look for skills like initiative, organization and the ability to effectively communicate, rather than specific technical skills or years of experience. This is especially true in the graduate employment market. Include a section that highlights the key skills the employer is seeking. To complete this section well, read the job advertisement and position description carefully, and highlight any key skills or requirements mentioned. These skills are addressed in the skills section, with evidence and information as to where they were developed.

Other Skills

  • For foreign languages, specify levels of fluency in speaking, writing and reading. Do not overstate your abilities in this area, however, as the interviewer may know the designated language and try to test you.
  • Computer knowledge is demonstrated with a list of computer languages, certificates completed in professional development, hardware knowledge and software programs.
  • List relevant expertise in a specialist area — for example, ‘accountancy expertise,’ ‘graphic design skills’ or ‘engineering professional skills.’

Employment History

There are two ways to present an employment history. The first is to note all employment on a single list in reverse-chronological order (starting with the most recent), a method especially useful for people moving within the same industry, who have established careers and are hoping to secure a more senior role. It also might be useful for those without much employment history, or who have no employment experience relating to the desired job or industry.

The second method would be useful if some, but not all, of your experience were relevant to the position. In this case, you may choose to split your employment history into two sections: ‘Relevant Employment History’ and ‘Other Employment History.’ This allows all employment that relates to the job or industry to be grouped together at the start of the section, so the employer does not have to search for relevant skills. The ‘Other Employment History’ section may be important, however, because it allows the employer to determine whether skills developed in these jobs might be used in the desired job.

  • When listing previous jobs, clearly specify the employing company’s name, location, your position title and the period of employment (identifying the month and year of start and finish dates).
  • List various positions with a single employer separately with dates, if these positions were not simultaneous (if they were simultaneous, list the most senior).
  • For each employer and specific position, give the responsibilities and the scope of the position and achievements, listing the duties and responsibilities in bullet points to make it quick and easy for the employer to read.

Awards/Achievements/Associations

If you have any awards, achievements, association memberships or anything else of relevance and importance to the job, this can be included after the employment section. A time frame of five years is probably applicable in the case of most awards, but if they are exceptional, statewide or national/international, they may be worth mentioning going back longer.

Hobbies and Interests

Including mention of hobbies, special interests and sports activities is not mandatory, but they commonly are included, especially if they show outstanding quality. This section primarily is used as soft interview questions, and can be particularly useful if you have little or no relevant recent work experience (as would be the case for a recent graduate). Interests often are used as a conversation starter in interviews . List personal interests in one or two lines only, using good judgment when deciding what to include in this section.

Finally, reference details are listed so the employer can contact them to discuss your skills and abilities. This section is often called references, but there is a difference between references and referees — referees are the people who can give written or oral references. The referees should relate to recent experiences, and you should obtain the permission of your referees before listing them on your resumé. Referees should be people with whom you have worked closely and who have held a senior position to yours or, if necessary, were significant colleagues on the same level.
