  • Apply for graduation  the first week of your last semester

Each semester has a deadline for the initial submission of theses and dissertations to ProQuest.  The deadline is generally two weeks prior to the final deadline.  Plan your defense accordingly. The document submitted to ProQuest is expected to be a final version, meaning it has been successfully defended, corrections the committee wants have been made, and there are no more content changes. 

Students are highly encouraged to read and follow the Thesis and Dissertation information available on the Graduate School’s website at: https://grad.msu.edu/etd. This site gives instructions on formatting, required paperwork, and how to submit to ProQuest.

The Graduate School will not accept documents for review for the current semester after 5:00PM ET on the submission deadline date.

Library Catalog

The Library Online Catalog will have a record for all MSU-produced theses and dissertations. We own very few theses and dissertations from other universities in paper format. The trick for finding theses in the catalog is to do a keyword search keyword and thesis . This will work for theses and dissertations.  MSU theses and dissertations are kept in the center part of the basement, part way between the oversized collection and the planning reports.

Submission Portal

After Dec 2020, students will submit drafts and final copies to the Graduate School's ETD Submission Portal instead of submitting through email .

Draft vs. Final Version

Students will submit drafts of their ETD to the ETD Submission Portal. They will receive feedback via email from the Formatting Advisor on changes that need to be made to their formatting.

After your ETD draft has been reviewed, you have successfully defended, and you are ready to submit a final document, upload your final PDF to the ETD Submission Portal. Do not upload a final until you have submitted at least one draft and the Formatting Advisor has personally instructed you to upload a final.

Submission Checklist

The Submission Checklist is a shorter version of all of the formatting rules, listing the most commonly seen formatting mistakes. You will be required to complete all of the checklist steps before the final PDF can be submitted to the portal.

Supplemental Files

Files containing data pertaining to your ETD should be uploaded to the ETD Submission Portal during the final upload.

If doctoral students choose to submit through ProQuest/UMI , they should also submit the same supplemental files. Non-proprietary, openly documented formats are always preferred:

  • Text: plain text (ASCII, UTF-8), PDF/A, CSV, TSV, XML
  • Image: PDF/A, JPEG/JPEG2000, PNG, TIFF, SVG (no Java)
  • Audio: FLAC, AIFF, WAVE
  • Video: AVI, M-JPEG2000
  • Files should only be compressed and/or archived when it is necessary due to large file size or the need to gather files together in a particular directory structure in order for them to be understood.
  • We encourage the use of structured organization, such as the BagIt format, within a compressed/archived file.

Raw data files can be included in ScholarWorks along with your ETD and any supplemental files. The library may also suggest you publish your data through an online repository.

In a small number of cases, students may choose to have their ETD held for a one-year proprietary period before being published on ScholarWorks. An example of a situation that would warrant this one-year proprietary period is a PhD student who has applied for a patent based on information that will be in their ETD and is waiting for the patent to be approved.

The information you provide during your final upload will be used by the MSU Library to archive your ETD. You will choose if you would like your paper to be published immediately on MSU's ScholarWorks repository, or if you would like publishing to be held off for a one-year proprietary period.

Filmmaking Students

Science and Natural History Filmmaking students must also submit a copy of their film. Submit a compressed H264 file (under 5GB) or a sharable link to the  Formatting Advisor . If your film is larger than 5GB please contact the Formatting Advisor for alternate submission options. Films will be archived on the  ETD Film archive  with MSU Domain access only.

Doctor of Philosophy (PhD) and Education (EdD) Students

After ETD approval by the Graduate School, you can optionally submit your ETD as a PDF through ProQuest/UMI Dissertation Publishing . Please read ProQuest's Frequently Asked Questions (FAQs) for important information. There is no fee for traditional publishing, but open access publishing is $95. (Note: your document will already be in the MSU Library's open access database ScholarWorks .)

PhD and EdD students must also complete a Survey of Earned Doctorates (SED) .

Disused Certificate of Approval (COA) Form

The Submission Portal replaces the need for the Certificate of Approval (COA) form.

The Submission Portal final upload serves as the official record of your ETD submission to the Graduate School and indicates that all committee-required changes have been completed. Upon approval by the Graduate School, your committee chair and co-chair will be notified that your ETD submission has been completed. No signatures from your committee are required.

msu-thesis – Class for Michigan State University Master’s and PhD theses

This is a class file for producing dissertations and theses according to the Michigan State University Graduate School Guidelines for Electronic Submission of Master’s Theses and Dissertations. The class should meet all current requirements and is updated whenever the university guidelines change.

The class is based on the memoir document class, and inherits the functionality of that class.

Submission guidelines.

Once your manuscript has gone through peer review and been approved by MSU Press’s editorial board, it is time to prepare it for production. Please see our Manuscript Preparation Guidelines below for detailed instructions on how to properly style and format your manuscript.

If your project includes art, make sure to review our Art Submission Guidelines as well.

Failure to comply with these requirements may delay production of your book or result in the omission of the images.

Manuscript Preparation Guidelines

  • Please let us know if your manuscript was prepared using a word processing program other than MS Word.
  • If you used Citation Machine, BibMe, EasyBib, or another program to automatically format or generate your references, you will need to replace that linked content with keyboarded text before submitting the final manuscript. Text generated in such programs can become corrupted or disappear when it is uploaded into typesetting software.
  • Do not use styles or advanced formatting functions in Word for text formatting; instead use toolbar buttons, F keys, and keystroke commands. For example, to italicize words, use the I button on the Home toobar, F7, or ctrl + i. Do not use Emphasis in the Styles menu.

Manuscript organization and formatting

  • Files: Break the manuscript into multiple files, one per chapter and one per table or figure.
  • Figures: Do not include figures or tables in the chapter text. Instead, indicate where figures or tables should be placed by inserting a callout like this: <figure 1 about here>. Provide each figure and table in a separate file in an appropriate file format. See the art guidelines to ensure figures are acceptable for publication.
  • Consistent styling: Treat consistently elements such as dates (American or European style), hyphenation, capitalization, variant spellings, and the formatting of text elements such as lists and subheadings, citations, and bibliographies.
  • Author’s name: Make sure that your name on the title page is presented exactly as you want it presented in the final book.
  • Table of contents: Cross check the contents page against the chapter titles. Do not include page numbers in the table of contents.
  • Chapter titles and subheads: These should be similar in tone and construction (for example, all should be either title-only or title-subtitle construction). Straightforward informational titles help browsers discern the content of a book, and they help readers navigate to their areas of interest.
  • Epigraphs: The press discourages the use of epigraphs in scholarly books. However, if you include epigraphs, use them on all chapters, with no more than one epigraph per chapter. No epigraphs should appear after subheads.
  • Cross-references in the text: Change references to manuscript locations such as “in the figure above” to specific identification such as “in figure 1.” Avoid cross-referencing your own text or notes, as contents tend to shift during copyediting and typesetting.
  • Extracts: Generally, six or more lines of prose and two or more lines of verse within the text should be set as an extract (also known as a block quotation), whereas shorter quotations should be run into the text. Do not set off prose quotations in the notes as extracts, regardless of length.
  • Spelling: Use U.S. spelling, except in quoted materials.
  • Diacritics: List all special characters (any characters that do not appear on your keyboard, such as accented characters—á, é, ö, etc.) used in the manuscript on the first page of the manuscript.
  • The press uses The Chicago Manual of Style . If you are following a different style guide, check with your acquisitions editor ahead of time.
  • In-text citations: The press strongly discourages the use of in-text citations. If you would like to use them, clear this with your acquisitions editor before submitting the final manuscript. If you get approval to use in-text citations, include a comprehensive, alphabetized reference list to support the in-text citations.
  • If you used Citation Machine, BibMe, EasyBib, or a similar program to generate your citations, you will need to rekey them or otherwise strip the coding behind them out. Text generated in such programs can become corrupted or disappear when it is uploaded into typesetting software.
  • Quantity of citations: Avoid excessive citation. Particularly if you are revising a dissertation, pare the notes down from exhaustive to complete.
  • Note numbers: Place note numbers at the ends of sentences where possible (at the end of a phrase otherwise). Do not attach more than one note to a sentence; when combining notes, make sure you do not lose any content.
  • Electronic sources: Internet postings are inherently unstable; even long-established resources regularly move and remove materials. If there is a hard copy form of a cited material, cite it, even if you actually viewed the material electronically. If citing an electronic-only work, provide a DOI or other stable identifier whenever possible.
  • Websites: If citing a piece posted to a publically available website (as opposed to an electronic journal), provide a general web address (for example, “available on NationalGeographic.com”) in lieu of a more detailed URL.

Illustrations and tables

  • Separate files: Do not include illustrations (including all visual representations) and tables in the chapter text. Submit each figure and table as a separate file.
  • Placement: If illustrations are to be scattered through the text, mark approximate location for each with a callout using carets (for example, <figure 1 around here>) in the text. Also use callouts to indicate the placement of tables. Callouts are not necessary if the illustrations will be grouped together in a gallery.
  • Check the art guidelines to determine whether your illustrations are suitable for publication.
  • With the exception of the index, everything that you want included in the printed book must be submitted with the final manuscript. This includes items such as dedications and acknowledgments.
  • Acknowledgments and information about earlier versions or publications of a chapter should appear in the acknowledgments or preface.
  • Mentions of dissertations and dissertation advisors and committee should be avoided.
  • Preface vs. introduction vs. foreword: All material referring to the assembly of a text (the inspiration, the process, decisions made about content) belongs in the preface. The introduction focuses on the subject matter of the book. A foreword is written by someone other than the author, such as a series editor.
  • The press strongly discourages including chapter summaries in front matter and at the beginnings and ends of chapters.

Thesis Project

In the thesis project, you’ll write an 80- to 100-page thesis.

Choose a topic related to defense and security studies. Be sure you can show your mastery of the topic.

Submission deadlines

Choose the semester you want to write your thesis. Then, submit your final thesis by that deadline.

  • For fall semester: End of November
  • For spring semester: End of April
  • For summer semester: End of July

We recommend you do your thesis in the fall or spring semester.

The Graduate College grants deadline extensions only in exceptional cases.

Advice and things to know.

  • You can only take the DSS 799 Thesis course once for credit (three hours) toward your 36-hour requirement for graduation.
  • It’s best to submit your thesis for reader approval during the spring and fall semesters, not the summer semester. If you choose to submit in the summer, the timeline is much shorter and requires intense effort by you to work in coordination with the readers.
  • You’re responsible for knowing and following the university’s student academic integrity policies and procedures . Any student participating in any form of academic dishonesty will be subject to sanctions as described in this policy.  
  • In writing your thesis, you're required to follow the MSU thesis resources guide and all specific deadlines for thesis preparation and submission set by the Graduate College.
  • All three readers and the university’s Graduate College must approve your thesis.
  • Edit your first thesis draft for grammar and spelling. Make sure your footnotes and bibliography are complete and correct. Neither the first reader nor the thesis committee are responsible for correcting these issues. Any thesis needing such corrections will be returned to you for completion without further comment.
  • If you do not finish the thesis in the semester in which you’re first enrolled in DSS 799, you must enroll in DSS 794 Active in Research each semester until you finish your thesis. You’re assigned a "Z" grade until your thesis is successfully submitted.
  • Under certain circumstances, you may change the readers on your thesis committee. To do so, you must petition the department for approval in writing, explaining the reason for the requested change.
  • The department may grant your thesis a " With distinction " designation if all three readers deem it exceptional. Your first reader will make a recommendation to the other two readers on your board, and all three board members will then make a final decision on an award of pass with distinction for your thesis.

Online Thesis and Dissertation Formatting Workshop: Regular Session

June 3, 2024 6:00 pm to 7:30 pm, about this event.

This online workshop covers the submission process for format review and demonstrates how to use the automated templates to format MSU theses and dissertations to the requirements set forth in the Standards for Preparing Theses and Dissertations: 8th edition. These templates were designed to help an author organize and format their document with minimal effort so that their focus can be on the content of their document. Those who have already started writing or have already defended are welcome to bring their current documents (either on flash drive or email attachment) to start the process of placing their content into the template.

Manuscript Submission Process

Submit manuscript for an initial format review.

Students must create an account in the ProQuest ETD Administrator before they can upload their manuscript for an initial format review. Initial submission and all revised submissions must be completed through the ProQuest ETD Administrator.

When creating an account on the ProQuest ETD Administrator, a lot of information is required upfront, including access preferences as well as optional paid services like purchasing bound copies of the manuscript and filing for copyright. ProQuest does not complete these instructions using the initial submission. They only publish the final approved manuscript and implement student publishing preferences and any paid services AFTER the manuscript has been approved by the FSU Manuscript Clearance Office and the student's graduation has been confirmed by the Registrar’s Office.

The Graduate School recommends that students submit their completed manuscript for an initial format review at the same time the manuscript is submitted to the committee prior to the defense. However, students must submit their manuscript for an initial format review no later than the relevant initial submission deadline for the semester in which they intend to graduate. Initial reviews are valid for two semesters (the original semester and one semester following). If the defense is delayed further than that, a new initial review must be completed by the appropriate deadline.

While it is understood that content will likely change after the defense, it is expected that manuscripts submitted for the initial format review are at least 90% complete and have been formatted in full accordance with the criteria in the most recent version of the Guidelines and Requirements.

  • 90% complete: MUST include the title page, committee page, table of contents, lists (if needed), abstract, chapters, references, biographical sketch and a majority of tables and figures.
  • Those manuscripts that do not meet this standard will NOT be reviewed and will NOT count as an initial submission to meet any deadline.

The Manuscript Clearance Office works with 250+ students per semester, so students are always encouraged to submit early.

Students must defend no later than the “last day for submission of final defended, content-approved thesis, dissertation or treatise and required forms” for the semester in which they intend to graduate. The Graduate School allows defenses up to this deadline with the understanding that all content corrections must be completed, approved by the major professor or committee, and submitted to the student's online ETD account no later than 11:59 p.m. on that deadline; however, to allow time for such corrections, the Graduate School recommends defending no later than 1 week prior to the deadline.

Submit Revised Manuscript

Once the student has completed all content changes required and approved by the committee, and incorporated all formatting corrections noted in the initial review, the student submits the revised version through their ETD account using the Revise option. The student should not create a new submission. This must be completed by 11:59 p.m. on the “last day for submission of final defended, content-approved thesis, dissertation or treatise and required forms.”

The revised manuscript will be reviewed by the Manuscript Clearance Advisor. If there are additional formatting corrections, the student will be notified. Manuscripts typically require 2-3 revisions to correct formatting issues that may arise after the content is corrected. A manuscript is not considered cleared until the formatting has been approved, all forms have been received and approved by the Manuscript Clearance Office, and the student has received an email from the Manuscript Clearance Office stating that their manuscript has been cleared.
