Visual aids can enhance a presentation by illustrating complex content, sometimes better than actually talking about it. However, visual aids can detract from an oral presentation if they do not support the message or are used inappropriately.

Depending on the type of presentation and delivery technologies available, you will have to select appropriate presentation tools or audio-visual aids to deliver your presentation.

The audio-visual aids in general can be presentation slides, audio (music, sounds, narration), video clips, real or scaled objects, etc.

The audio-visuals you select must be suitable for the size of the audience, room layout, lighting, sound system, etc. For example, in a large auditorium with an audience of several hundred people, showing a video clip with audio may not work well if there is no sound system.

You should have a good idea about the presentation set up from the preparation stage to select the appropriate audio-visual aids for delivery.

Audio-Visual Aid Design Principles

The following are general principles to remember in designing audio-visual aids:

Use Simple or No Background in Presentation Materials

Keep your presentation materials simple. Do not use complicated background designs that can distract from the content.

Use Colors That Provide Adequate Contrast and Make it Easier to Read

For example, use dark letters on a light background; and do not use light letters on a light background or dark letters on a dark background. It is better to use black or dark blue letters on a white background.

If colors used have meaning, remember that people with color blindness or visual impairment may not recognize the meaning.

Use Adequate Font Size That Allows Easy Reading of Text From the Last Row of the Room

Prepare a sample presentation screen, and see if you are able to view it from the last row of the room (if you know the location and have advance access to it).

Use Distinct Font Sizes for Titles and Section Headings

Use distinct font sizes for titles or section headings compared to points covered in those sections, and make sure they are consistent throughout. Turn off any "auto size" feature in presentation software to help with this.

Limit Bullet Points to Four to Five Points per Slide, and Not More Than Seven Bullet Points

Slide with four bullets, slide with more than seven bullets, limit each point to no more than two, or at most three, lines of text.

Do not have whole paragraphs of text on the screen as the audience may not be able to read it.

Note that bullet points need not be complete sentences (unless it is a quote or a definition) and can be partial sentences or phrases.

If you have a large figure, show a high-level outline of the figure and then focus on the specific details of the figure on the following slide.

Ensure Animations or Transitions Don't Distract

When using animations or transitions in presentation materials, make sure they do not distract from the content and do not have a jarring effect, as some transition styles can cause seizures for people with certain disabilities.

Ensure Chart Scales Don't Mislead

If you use graphs or charts in your presentation materials, make sure axis scales do not mislead the audience on the trends. Stacked bar graphs are also difficult for the audience to comprehend when you move through the slide quickly.

If you include video clips, make sure the size of the clip (¼, ½ or full size) on the screen is viewable for the audience.

Do Not Use Offensive or Stereotypical Visuals

If you use cartoons or animations or clip arts, make sure they are not offensive and do not stereotype people.

Play Audio at Easily Heard Levels

If you use audio clips, the sound system in the room should be adequate for the audience to hear.

Share Real or Scaled Objects at Easily Viewed Sizes

If you show real or scaled objects during your presentation, make sure they are viewable from the last row or use a document camera to display it.

Test Audio-Visual Aids in Advance

Test the audio-visual aids, especially if you use special plug-ins or players or different versions of software for display.

Design Your Audio-Visuals So All Members Can Experience Them

If you will have audience members with particular disabilities, then you will have to design the audio-visuals accordingly. Common disabilities may include color-blindness, visual impairment, hearing impairment, etc.

Proofread and Spell-Check

Proofread and spell-check presentation materials for grammar and spelling errors. Even minor errors will be glaring on a large screen!

When Using the Board or Flip Charts, Write Large Text and in a Logical Flow

If you plan to use the board or flip charts, learn to write in big letters or draw appropriately-sized figures so that the audience can view the information easily.

When writing on the board or flip charts, write from left to write and from top to bottom, so the audience can follow the logical flow of information.

Cite Sources Properly

If you include content from external sources in your presentation, include in-text citations where necessary and list the corresponding references at the end of the presentation materials.

Acknowledge Your Contributors

Acknowledge those who helped you with the presentation, including your team members, at the end of the presentation materials.

Remember Your Visuals Are To Enhance and Not Distract

Most importantly, design materials to enhance your presentation and help you deliver the content effectively, not to distract from it!

Five tips to set yourself apart.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

Keeping your presentation visuals minimalistic, simple, and clear is just one important step to remember when designing a hit presentation. Leaving nothing to chance, great presenters prove quite methodical as they prepare. Here’s a checklist for everything you need to keep in mind before your next presentation:

1. Choose the right software for your needs

The easiest way to select the right presentation software for you is to simply find the one that is native to your device. For example, if you have a Mac, use Apple Keynote, if you work on Windows, use PowerPoint. Google Slides is recommended if you’re working with someone, as it makes collaboration very easy. Another software option is Prezi: a specialty tool called Prezi that creates a presentation using motion, zoom, and panning across one giant visual space.

2. Organize your files

As you develop your script and visuals, you will need to start assembling all the assets for your slides. Create a unique folder on your computer to hold these items. Keep the folder organized by media type (presentation drafts, photos, videos, scripts) and back them up frequently to the Cloud or external disk. Label each file with a specific descriptive name, e.g. “Susan Johnson singing magpie 2020”, as opposed to “IMG_4043.jpg”, which can make it confusing to find your assets. The more organized you are up front, the easier preparing for your presentation will be.

3. Prepare your presentation materials

Make sure your presentation materials (script, graphics, actual slides) are saved in at least two safe spots (for example, your computer and an external USB drive) and are backed-up frequently. If you are using an online presentation software, such as Google Slides, be sure to also download a copy of your presentation in case the internet connection is unreliable. Having all the individual assets on hand in addition to your presentation slides can be helpful if you experience tech issues before presenting, or if you need to make any last minute changes. Make sure to label your final presentation with the title and your name so it’s easy to find.

4. Practice, practice, practice!

Remember, practice makes perfect. People often run out of time making their presentations and have no time to practice. Most TED speakers practice at least ten times. Neuroscientist Jill-Bolte Taylor gave one of the most successful Talks in TED history with nearly 27 million views. How did she do it? She practiced her Talk over 40 times! By rehearsing multiple times you will naturally memorize your Talk, which means you won’t need note cards when you give your final presentation.

5. Do a final test run

Before presenting, make sure the equipment you need is working properly. It’s generally good practice to rehearse standing on the exact stage with the exact lighting using the exact computer that you will be using in your final presentation.

Here’s a quick checklist of what to look for when testing your equipment:

  • If you're not using your own computer, the one provided might be slower and have trouble playing media. If you have videos or other media, make sure they play correctly
  • Test the projector to make sure it’s HD
  • Make sure images are clear
  • Test the sound of any clips you use, as this is what goes wrong most frequently
  • If you’re using a mic, test the volume

Don’t let technical issues or other blunders overshadow your presentation. By following these guidelines, and with a little preparation, you can engineer out the problems BEFORE they happen.

Preparation is the single most important part of making a successful presentation. It is an absolutely crucial foundation, and you should dedicate as much time to it as possible, avoiding short-cuts. Good preparation will ensure that you have thought carefully about the messages that you want (or need) to communicate in your presentation and it will also help boost your confidence.

There are a number of aspects that you need to consider when preparing a presentation. They include the aim of the presentation, the subject matter, the audience, the venue or place, the time of day, and the length of the talk. All these will affect what you say and how you say it, as well as the visual aids that you use to get your point across.

The Objective

Whenever you are asked to give a presentation or speak to a group of people, you need to start by asking the purpose of the presentation.

In other words, what is the presentation expected to achieve, and what outcome(s) do the organisers and the audience expect?

These outcomes will shape your presentation, because it must be designed to achieve the objective and deliver the desired outcomes.

For example, you might be asked to give a talk to a gardening club. You might be told that the purpose of the talk is to fill a regular meeting slot, and that the members of the club have expressed a desire to learn more about pruning. You therefore know that your talk needs to be entertaining, fairly light, but knowledgeable, and that your audience wants to learn something new.

As you prepare your presentation, make sure you keep asking yourself:

“How is saying this going to help to achieve the objective and outcomes?”

The Subject

The subject of your presentation or talk about comes from the objective. They are linked, but they are not necessarily exactly the same thing.

For example:

The subject may be given to you by the organisation that has invited you (such as talking about pruning to the gardening club).

You may be knowledgeable in a particular field (perhaps you have an interest in local history).

The subject may be entirely your choice within certain limitations (you might, for example, be asked to give a presentation at an interview on a project which you feel has particularly developed your skills).

The Audience

Before preparing material for a presentation, it is worth considering your prospective audience.

Tailoring your talk to the audience is important and the following points should be considered:

The size of the group or audience expected.

The age range - a talk aimed at retired people will be quite different from one aimed at teenagers.

Gender - will the audience be predominantly male or female?

Is it a captive audience or will they be there out of interest?

Will you be speaking in their work or leisure time?

Do they know something about your subject already or will it be totally new to them?  Is the subject part of their work?

Are you there to inform, teach, stimulate, or provoke?

Can you use humour and, if so, what would be considered appropriate? If you are in any doubt about this, it is probably best to avoid anything even remotely risqué.

It is important to have as much advance information as possible about the place where you are going to speak.

It can be helpful to arrange to see the venue before the event. It does much to quell fear if you can visualise the place while you are preparing your talk. However, even if you cannot visit, you will probably find it helpful to know:

The size of the room;

The seating arrangements (for example, theatre-style, with rows of seats; or round-table);

The availability of equipment, e.g., microphone, laptop and projector, flip chart;

The availability of power points and if an extension lead is required for any equipment you intend to use;

If the room has curtains or blinds. This is relevant if you intend to use visual aids, and so that you can ensure the correct ambiance for your presentation;

The position of the light switches.  Check if you need someone to help if you are using audio/visual equipment and need to turn off the lights;

The likelihood of outside distractions, e.g., noise from another room; and

The availability of parking facilities so you do not have a long walk carrying any equipment you might need to take.

If this information is not available ahead of time, it will help to get there a bit early, to give you time to set up.

There will often be no flexibility in the time of day that a presentation is made. However, it does affect what you can do, and how you might organise your presentation, because of the likely state of your audience (see box).

How time of day can affect your audience

The morning is the best time to speak because people are generally at their most alert. However, as it gets towards lunch time, people begin to feel hungry and lose concentration. This is particularly true if the event has not included a coffee break.

After lunch, people often feel sleepy and lethargic. If you are given a slot immediately after lunch, it is a good idea to get your audience involved. A discussion or getting your audience moving about will work a lot better than simply presenting a lot of slides. A flip chart may also be a more useful tool than a laptop and projector, especially if it means you can open blinds and use natural light.

Towards the end of the afternoon, people again tend to lose concentration as they start to worry about getting home, the traffic or collecting children from school.

Evening or Weekend:

Outside regular office hours, people are more likely to be present because they want to be rather than because they have to be there.  There is a better chance of audience attention in the evening. However, if the presentation goes on for too long, people may have to leave before you have finished. People will also be less tolerant of a poor presentation because you are in their time, not their employer’s.

Length of Talk

Always find out how long you have to talk and check if this includes or excludes time for questions.

Find out if there are other speakers and, if so, where you are placed in the running order.  Never elect to go last.  Beware of over-running, as this could be disastrous if there are other speakers following you.

It is important to remember that people find it difficult to maintain concentration for long periods of time. This is a good reason for making a presentation succinct, well-structured and interesting. Aim for 45 minutes as a maximum single-session presentation, and preferably leave at least 10 or 15 minutes for questions. Nobody minds finishing a session early.

Providing Information in Advance

Always check what information you will need to provide in advance.

Organisers of big events and conferences often like to have all the PowerPoint presentations several days ahead of the event. This gives them time to load all the presentations, and make sure that they are properly branded for the event.

Some events also need speakers’ biographies ahead of time, to put in conference literature. When you are asked to give the presentation, make sure you ask what is needed by when—and then supply it.

You will not be popular if you turn up on the day and announce that you have completely rewritten your presentation on the train. It is entirely possible that the organisers may even not be able to accommodate that, for example if the audio-visual is being supplied by a separate company or by the venue.

And finally…

Being asked to give a presentation is an honour, not a chore.

You are representing your organisation or yourself, if you are self-employed. You are also not there by right, but by invitation. It is therefore important that you put in the time and effort to ensure that you deliver what your audience wants. That way, you may just be invited back another time.

Chapter 10. Designing and Delivering Presentations

Presentations are one of the most visible forms of professional or technical communication you will have to do in your career.  Because of that and the nature of being put “on the spot,” presentations are often high pressure situations that make many people anxious. As with the other forms of communication described in this guide, the ability to present well is a skill that can be practiced and honed.

When we think of presentations, we typically imagine standing in front of a room (or auditorium) full of people, delivering information verbally with slides projected on a screen. Variations of that scene are common. Keep in mind, though, that the skills that make you a strong presenter in that setting are incredibly valuable in many other situations, and they are worth studying and practicing.

Effective presentation skills are the ability to use your voice confidently to communicate in “live” situations—delivering information verbally and “physically,” being able to engage your audience, and thinking on your feet. It also translates to things like videos, which are a more and more common form of communication in professional spheres.  You will have a number of opportunities during your academic career to practice your presentation skills, and it is worth it to put effort into developing these skills. They will serve you well in myriad situations beyond traditional presentations, such as interviews, meetings, networking, and public relations.

This chapter describes best practices and tips for becoming an effective presenter in the traditional sense, and also describes how best practices for presentation skills and visuals apply to creating videos and posters.

Process for Planning, Organizing, and Writing Presentations

Similar to any other piece of writing or communication, to design a successful presentation, you must follow a thoughtful writing process (see Engineering Your Writing Process ) that includes planning, drafting, and getting feedback on the presentation content, visuals, and delivery (more on that in the following section).Following is a simple and comprehensive way to approach “writing” a presentation:

Step 1: Identify and state the purpose of the presentation. Find focus by being able to clearly and simply articulate the goal of the presentation—what are you trying to achieve? This is helpful for you and your audience—you will use it in your introduction and conclusion, and it will help you draft the rest of the presentation content.

Step 2: Outline major sections. Next, break the presentation content into sections. Visualizing sections will also help you assess organization and consider transitions from one idea to the next. Plan for an introduction, main content sections that help you achieve the purpose of the presentation, and a conclusion.

Step 3: Draft content. Once you have an outline, it’s time to fill in the details and plan what you are actually going to say. Include an introduction that gives you a chance to greet the audience, state the purpose of the presentation, and provide a brief overview of the rest of the presentation (e.g. “First, we will describe the results of our study, then we’ll outline our recommendations and take your questions”). Help your audience follow the main content of the presentation by telling them as you move from one section of your outline to the next—use the structure you created to keep yourself and your audience on track.

End with a summary, restating the main ideas (purpose) from the presentation and concluding the presentation smoothly (typically thanking your audience and offering to answering any questions from your audience). Ending a presentation can be tricky, but it’s important because it will make a lasting impression with your audience—don’t neglect to plan out the conclusion carefully.

Step 4: Write presentation notes. For a more effective presentation style, write key ideas, data, and information as lists and notes (not a complete, word-for-word script). This allows you to ensure you are including all the vital information without getting stuck reading a script. Your presentation notes should allow you to look down, quickly reference important information or reminders, and then look back up at your audience.

Step 5: Design supporting visuals. Now it’s time to consider what types of visuals will best help your audience understand the information in your presentation. Typically, presentations include a title slide, an overview or advance organizer, visual support for each major content section, and a conclusion slide. Use the visuals to reinforce the organization of your presentation and help your audience see the information in new ways.

Don’t just put your notes on the slides or use visuals that will be overwhelming or distracting—your audience doesn’t need to read everything you’re saying, they need help focusing on and really understanding the most important information. See Designing Effective Visuals .

At each step of the way, assess audience and purpose and let them affect the tone and style of your presentation. What does your audience already know? What do you want them to remember or do with the information? Use the introduction and conclusion in particular to make that clear.

For in-class presentations, look at the assignment or ask the instructor to make sure you’re clear on who your audience is supposed to be. As with written assignments, you may be asked to address an imagined audience or design a presentation for a specific situation, not the real people who might be in the room.

In summary, successful presentations

  • have a stated purpose and focus;
  • are clearly organized, with a beginning, middle, and end;
  • guide the audience from one idea to the next, clearly explaining how ideas are connected and building on the previous section; and
  • provide multiple ways for the audience to absorb the most important information (aurally and visually).

Developing a Strong Presentation Style

Since presentation are delivered to the audience “live,” review and revise it as a verbal and visual presentation, not as a piece of writing. As part of the “writing” process, give yourself time to practice delivering your presentation out loud with the visuals . This might mean practicing in front of a mirror or asking someone else to listen to your presentation and give you feedback (or both!). Even if you have a solid plan for the presentation and a strong script, unexpected things will happen when you actually say the words—timing will feel different, you will find transitions that need to be smoothed out, slides will need to be moved.

More importantly, you will be better able to reach your audience if you are able to look up from your notes and really talk to them—this will take practice.

Characteristics of a Strong Presentation Style

When it comes time to practice delivery, think about what has made a presentation and a presenter more or less effective in your past experiences in the audience. What presenters impressed you? Or bored you? What types of presentation visuals keep your attention? Or are more useful?

One of the keys to an effective presentation is to keep your audience focused on what matters—the information—and avoid distracting them or losing their attention with things like overly complicated visuals, monotone delivery, or disinterested body language.

As a presenter, you must also bring your own energy and show the audience that you are interested in the topic—nothing is more boring than a bored presenter, and if your audience is bored, you will not be successful in delivering your message.

Verbal communication should be clear and easy to listen to; non-verbal communication (or body language) should be natural and not distracting to your audience. The chart below outlines qualities of both verbal and non-verbal communication that impact presentation style. Use it as a sort of “rubric” as you assess and practice your own presentation skills.

As you plan and practice a presentation, be aware of time constraints. If you are given a time limit (say, 15 minutes to deliver a presentation in class or 30 minutes for a conference presentation), respect that time limit and plan the right amount of content. As mentioned above, timing must be practiced “live”—without timing yourself, it’s difficult to know how long a presentation will actually take to deliver.

Finally, remember that presentations are “live” and you need to stay alert and flexible to deal with the unexpected:

  • Check in with your audience.  Ask questions to make sure everything is working (“Can everyone hear me ok?” or “Can you see the screen if I stand here?”) and be willing to adapt to fix any issues.
  • Don’t get so locked into a script that you can’t improvise. You might need to respond to a question, take more time to explain a concept if you see that you’re losing your audience, or move through a planned section more quickly for the sake of time. Have a plan and be able to underscore the main purpose and message of your presentation clearly, even if you end up deviating from the plan.
  • Expect technical difficulties. Presentation equipment fails all the time—the slide advancer won’t work, your laptop won’t connect to the podium, a video won’t play, etc. Obviously, you should do everything you can to avoid this by checking and planning, but if it does, stay calm, try to fix it, and be willing to adjust your plans. You might need to manually advance slides or speak louder to compensate for a faulty microphone. Also, have multiple ways to access your presentation visuals (e.g., opening Google Slides from another machine or having a flash drive).

Developing Strong Group Presentations

Group presentations come with unique challenges. You might be a confident presenter individually, but as a member of a group, you are dealing with different presentation styles and levels of comfort.

Here are some techniques and things to consider to help groups work through the planning and practicing process together:

  • Transitions and hand-off points. Be conscious of and plan for smooth transitions between group members as one person takes over the presentation from another. Awkward or abrupt transitions can become distracting for an audience, so help them shift their attention from one speaker to the next. You can acknowledge the person who is speaking next (“I’ll hand it over to Sam who will tell you about the results”) or the person who’s stepping in can acknowledge the previous speaker (“So, I will build on what you just heard and explain our findings in more detail”). Don’t spend too much time on transitions—that can also become distracting. Work to make them smooth and natural.
  • Table reads. When the presentation is outlined and written, sit around a table together and talk through the presentation—actually say what you will say during the presentation, but in a more casual way. This will help you check the real timing (keep an eye on the clock) and work through transitions and hand-off points. (Table reads are what actors do with scripts as part of the rehearsal process.)
  • Body language. Remember that you are still part of the presentation even when you’re not speaking. Consider non-verbal communication cues—pay attention to your fellow group members, don’t block the visuals, and look alert and interested.

Designing Effective Visuals

Presentation visuals (typically slides, but could be videos, props, handouts, etc.) help presenters reinforce important information by giving the audience a way to see as well as hear the message. As with all other aspects of presentations, the goal of visuals is to aid your audience’s understanding, not overwhelm or distract them. One of the most common ways visuals get distracting is by using too much text. Plan and select visuals aids carefully—don’t just put your notes on the screen, but use the visuals to reinforce important information and explain difficult concepts.

The slides below outline useful strategies for designing professional, effective presentation slides.

  • Write concise text. Minimize the amount of reading you ask your audience to do by using only meaningful keywords, essential data and information, and short phrases. Long blocks of text or full paragraphs are almost never useful.
  • Use meaningful titles. The title should reveal the purpose of the slide. Its position on the slide is highly visible—use it to make a claim or assertion, identify the specific focus of the slide, or ask a framing question.
  • Use images and graphics. Wherever possible, replace wordy descriptions with visuals. Well chosen images and graphics will add another dimension to the message you are trying to communicate. Make sure images are clear and large enough for your audience to see and understand in the context of the presentation.
  • Keep design consistent. The visual style of the slides should be cohesive. Use the same fonts, colors, borders, backgrounds for similar items (e.g., all titles should be styled the same way, all photos should have the same size and color border). This does not mean every slide needs to look identical, but they should be a recognizable set.
  • Use appropriate contrast. Pay attention to how easy it is to see elements on the screen. Whatever colors you choose, backgrounds and overlaid text need to be some version of light/dark. Avoid positioning text over a patterned or “busy” background—it is easy for the text to get lost and become unreadable. Know that what looks ok on your computer screen might not be as clear when projected.

Introduction

The “presentation slide” is the building block of all academic presentations, whether they are journal clubs, thesis committee meetings, short conference talks, or hour-long seminars. A slide is a single page projected on a screen, usually built on the premise of a title, body, and figures or tables and includes both what is shown and what is spoken about that slide. Multiple slides are strung together to tell the larger story of the presentation. While there have been excellent 10 simple rules on giving entire presentations [ 1 , 2 ], there was an absence in the fine details of how to design a slide for optimal effect—such as the design elements that allow slides to convey meaningful information, to keep the audience engaged and informed, and to deliver the information intended and in the time frame allowed. As all research presentations seek to teach, effective slide design borrows from the same principles as effective teaching, including the consideration of cognitive processing your audience is relying on to organize, process, and retain information. This is written for anyone who needs to prepare slides from any length scale and for most purposes of conveying research to broad audiences. The rules are broken into 3 primary areas. Rules 1 to 5 are about optimizing the scope of each slide. Rules 6 to 8 are about principles around designing elements of the slide. Rules 9 to 10 are about preparing for your presentation, with the slides as the central focus of that preparation.

Rule 1: Include only one idea per slide

Each slide should have one central objective to deliver—the main idea or question [ 3 – 5 ]. Often, this means breaking complex ideas down into manageable pieces (see Fig 1 , where “background” information has been split into 2 key concepts). In another example, if you are presenting a complex computational approach in a large flow diagram, introduce it in smaller units, building it up until you finish with the entire diagram. The progressive buildup of complex information means that audiences are prepared to understand the whole picture, once you have dedicated time to each of the parts. You can accomplish the buildup of components in several ways—for example, using presentation software to cover/uncover information. Personally, I choose to create separate slides for each piece of information content I introduce—where the final slide has the entire diagram, and I use cropping or a cover on duplicated slides that come before to hide what I’m not yet ready to include. I use this method in order to ensure that each slide in my deck truly presents one specific idea (the new content) and the amount of the new information on that slide can be described in 1 minute (Rule 2), but it comes with the trade-off—a change to the format of one of the slides in the series often means changes to all slides.

Rule 2: Spend only 1 minute per slide

When you present your slide in the talk, it should take 1 minute or less to discuss. This rule is really helpful for planning purposes—a 20-minute presentation should have somewhere around 20 slides. Also, frequently giving your audience new information to feast on helps keep them engaged. During practice, if you find yourself spending more than a minute on a slide, there’s too much for that one slide—it’s time to break up the content into multiple slides or even remove information that is not wholly central to the story you are trying to tell. Reduce, reduce, reduce, until you get to a single message, clearly described, which takes less than 1 minute to present.

Rule 3: Make use of your heading

When each slide conveys only one message, use the heading of that slide to write exactly the message you are trying to deliver. Instead of titling the slide “Results,” try “CTNND1 is central to metastasis” or “False-positive rates are highly sample specific.” Use this landmark signpost to ensure that all the content on that slide is related exactly to the heading and only the heading. Think of the slide heading as the introductory or concluding sentence of a paragraph and the slide content the rest of the paragraph that supports the main point of the paragraph. An audience member should be able to follow along with you in the “paragraph” and come to the same conclusion sentence as your header at the end of the slide.

Rule 4: Include only essential points

While you are speaking, audience members’ eyes and minds will be wandering over your slide. If you have a comment, detail, or figure on a slide, have a plan to explicitly identify and talk about it. If you don’t think it’s important enough to spend time on, then don’t have it on your slide. This is especially important when faculty are present. I often tell students that thesis committee members are like cats: If you put a shiny bauble in front of them, they’ll go after it. Be sure to only put the shiny baubles on slides that you want them to focus on. Putting together a thesis meeting for only faculty is really an exercise in herding cats (if you have cats, you know this is no easy feat). Clear and concise slide design will go a long way in helping you corral those easily distracted faculty members.

Rule 5: Give credit, where credit is due

An exception to Rule 4 is to include proper citations or references to work on your slide. When adding citations, names of other researchers, or other types of credit, use a consistent style and method for adding this information to your slides. Your audience will then be able to easily partition this information from the other content. A common mistake people make is to think “I’ll add that reference later,” but I highly recommend you put the proper reference on the slide at the time you make it, before you forget where it came from. Finally, in certain kinds of presentations, credits can make it clear who did the work. For the faculty members heading labs, it is an effective way to connect your audience with the personnel in the lab who did the work, which is a great career booster for that person. For graduate students, it is an effective way to delineate your contribution to the work, especially in meetings where the goal is to establish your credentials for meeting the rigors of a PhD checkpoint.

Rule 6: Use graphics effectively

As a rule, you should almost never have slides that only contain text. Build your slides around good visualizations. It is a visual presentation after all, and as they say, a picture is worth a thousand words. However, on the flip side, don’t muddy the point of the slide by putting too many complex graphics on a single slide. A multipanel figure that you might include in a manuscript should often be broken into 1 panel per slide (see Rule 1 ). One way to ensure that you use the graphics effectively is to make a point to introduce the figure and its elements to the audience verbally, especially for data figures. For example, you might say the following: “This graph here shows the measured false-positive rate for an experiment and each point is a replicate of the experiment, the graph demonstrates …” If you have put too much on one slide to present in 1 minute (see Rule 2 ), then the complexity or number of the visualizations is too much for just one slide.

Rule 7: Design to avoid cognitive overload

The type of slide elements, the number of them, and how you present them all impact the ability for the audience to intake, organize, and remember the content. For example, a frequent mistake in slide design is to include full sentences, but reading and verbal processing use the same cognitive channels—therefore, an audience member can either read the slide, listen to you, or do some part of both (each poorly), as a result of cognitive overload [ 4 ]. The visual channel is separate, allowing images/videos to be processed with auditory information without cognitive overload [ 6 ] (Rule 6). As presentations are an exercise in listening, and not reading, do what you can to optimize the ability of the audience to listen. Use words sparingly as “guide posts” to you and the audience about major points of the slide. In fact, you can add short text fragments, redundant with the verbal component of the presentation, which has been shown to improve retention [ 7 ] (see Fig 1 for an example of redundant text that avoids cognitive overload). Be careful in the selection of a slide template to minimize accidentally adding elements that the audience must process, but are unimportant. David JP Phillips argues (and effectively demonstrates in his TEDx talk [ 5 ]) that the human brain can easily interpret 6 elements and more than that requires a 500% increase in human cognition load—so keep the total number of elements on the slide to 6 or less. Finally, in addition to the use of short text, white space, and the effective use of graphics/images, you can improve ease of cognitive processing further by considering color choices and font type and size. Here are a few suggestions for improving the experience for your audience, highlighting the importance of these elements for some specific groups:

  • Use high contrast colors and simple backgrounds with low to no color—for persons with dyslexia or visual impairment.
  • Use sans serif fonts and large font sizes (including figure legends), avoid italics, underlining (use bold font instead for emphasis), and all capital letters—for persons with dyslexia or visual impairment [ 8 ].
  • Use color combinations and palettes that can be understood by those with different forms of color blindness [ 9 ]. There are excellent tools available to identify colors to use and ways to simulate your presentation or figures as they might be seen by a person with color blindness (easily found by a web search).
  • In this increasing world of virtual presentation tools, consider practicing your talk with a closed captioning system capture your words. Use this to identify how to improve your speaking pace, volume, and annunciation to improve understanding by all members of your audience, but especially those with a hearing impairment.

Rule 8: Design the slide so that a distracted person gets the main takeaway

It is very difficult to stay focused on a presentation, especially if it is long or if it is part of a longer series of talks at a conference. Audience members may get distracted by an important email, or they may start dreaming of lunch. So, it’s important to look at your slide and ask “If they heard nothing I said, will they understand the key concept of this slide?” The other rules are set up to help with this, including clarity of the single point of the slide (Rule 1), titling it with a major conclusion (Rule 3), and the use of figures (Rule 6) and short text redundant to your verbal description (Rule 7). However, with each slide, step back and ask whether its main conclusion is conveyed, even if someone didn’t hear your accompanying dialog. Importantly, ask if the information on the slide is at the right level of abstraction. For example, do you have too many details about the experiment, which hides the conclusion of the experiment (i.e., breaking Rule 1)? If you are worried about not having enough details, keep a slide at the end of your slide deck (after your conclusions and acknowledgments) with the more detailed information that you can refer to during a question and answer period.

Rule 9: Iteratively improve slide design through practice

Well-designed slides that follow the first 8 rules are intended to help you deliver the message you intend and in the amount of time you intend to deliver it in. The best way to ensure that you nailed slide design for your presentation is to practice, typically a lot. The most important aspects of practicing a new presentation, with an eye toward slide design, are the following 2 key points: (1) practice to ensure that you hit, each time through, the most important points (for example, the text guide posts you left yourself and the title of the slide); and (2) practice to ensure that as you conclude the end of one slide, it leads directly to the next slide. Slide transitions, what you say as you end one slide and begin the next, are important to keeping the flow of the “story.” Practice is when I discover that the order of my presentation is poor or that I left myself too few guideposts to remember what was coming next. Additionally, during practice, the most frequent things I have to improve relate to Rule 2 (the slide takes too long to present, usually because I broke Rule 1, and I’m delivering too much information for one slide), Rule 4 (I have a nonessential detail on the slide), and Rule 5 (I forgot to give a key reference). The very best type of practice is in front of an audience (for example, your lab or peers), where, with fresh perspectives, they can help you identify places for improving slide content, design, and connections across the entirety of your talk.

Rule 10: Design to mitigate the impact of technical disasters

The real presentation almost never goes as we planned in our heads or during our practice. Maybe the speaker before you went over time and now you need to adjust. Maybe the computer the organizer is having you use won’t show your video. Maybe your internet is poor on the day you are giving a virtual presentation at a conference. Technical problems are routinely part of the practice of sharing your work through presentations. Hence, you can design your slides to limit the impact certain kinds of technical disasters create and also prepare alternate approaches. Here are just a few examples of the preparation you can do that will take you a long way toward avoiding a complete fiasco:

  • Save your presentation as a PDF—if the version of Keynote or PowerPoint on a host computer cause issues, you still have a functional copy that has a higher guarantee of compatibility.
  • In using videos, create a backup slide with screen shots of key results. For example, if I have a video of cell migration, I’ll be sure to have a copy of the start and end of the video, in case the video doesn’t play. Even if the video worked, you can pause on this backup slide and take the time to highlight the key results in words if someone could not see or understand the video.
  • Avoid animations, such as figures or text that flash/fly-in/etc. Surveys suggest that no one likes movement in presentations [ 3 , 4 ]. There is likely a cognitive underpinning to the almost universal distaste of pointless animations that relates to the idea proposed by Kosslyn and colleagues that animations are salient perceptual units that captures direct attention [ 4 ]. Although perceptual salience can be used to draw attention to and improve retention of specific points, if you use this approach for unnecessary/unimportant things (like animation of your bullet point text, fly-ins of figures, etc.), then you will distract your audience from the important content. Finally, animations cause additional processing burdens for people with visual impairments [ 10 ] and create opportunities for technical disasters if the software on the host system is not compatible with your planned animation.

Conclusions

These rules are just a start in creating more engaging presentations that increase audience retention of your material. However, there are wonderful resources on continuing on the journey of becoming an amazing public speaker, which includes understanding the psychology and neuroscience behind human perception and learning. For example, as highlighted in Rule 7, David JP Phillips has a wonderful TEDx talk on the subject [ 5 ], and “PowerPoint presentation flaws and failures: A psychological analysis,” by Kosslyn and colleagues is deeply detailed about a number of aspects of human cognition and presentation style [ 4 ]. There are many books on the topic, including the popular “Presentation Zen” by Garr Reynolds [ 11 ]. Finally, although briefly touched on here, the visualization of data is an entire topic of its own that is worth perfecting for both written and oral presentations of work, with fantastic resources like Edward Tufte’s “The Visual Display of Quantitative Information” [ 12 ] or the article “Visualization of Biomedical Data” by O’Donoghue and colleagues [ 13 ].

Designing Presentation Materials

In an academic presentation, you are required to convey information exactly. The presentation materials should appropriately visualize the accurateness of the information and the logical flow, while being organized in a manner so as to be easily understood.

This makes design important. Even so, there is no need for the sophisticated skills of a professional designer. Refer to the basic principles drawn from accumulated designer’s work and use that knowledge effectively to prepare your materials.

Please check that you achieve these items. Read below for respective instructions in specific.

  • Did you understand the features of materials?
  • Did you prepare accurate information and a logical structure?
  • Did you align and make groups?
  • Did you add contrast and unify the design?
  • Did you give each color a meaning?
  • Did you check that no information is missing or excessed, and the overall flow is good?

Thinking about the features of materials

Slides: Pay attention to the total number of slides and font size. The headline font should be at least 36pt and plain text at least 28pt. Aim to take 1 minute to present one slide. Rather than just using whole paragraphs on the slides, it is better to make bullet points or use conceptual diagrams.

Posters: Posters should be easy to be captured its outline from the distance as well as contain details that become visible by seeing it up close. Use clear headlines to make the content easier to grasp, use colors only to highlight important parts of figures and tables, and visualize the overall structure as understandable at a glance.

Preparing accurate information and a logical structure

When the content is meaningful (being accurate, logical, original, novel, etc.), it is worthwhile to make an effort of preparing presentation materials. You may refer to some other guides to prepare your contents well. [→Preparing for an Effective Oral Presentation]

Take time to align the edges of items, sections, figures, etc. If it is uneven, the readers will be distracted and have difficulty in understanding the contents properly.

Create clear differences between levels , for example, by using different font sizes between a title, headlines, and plain text. For the title or the headlines, you can change font colors, add lines or marks, or put the background color.

Take care to use the same design throughout all slides. For example, this includes headline fonts; lines and marks (so-called “eye-catch”); and the spaces between groups. A different design should be introduced when express a different meaning.

Make sure each color a particular meaning . Using many colors without any particular meaning confuses the readers, and results in more time consumed to understand the contents. It is best to add accent colors only where you want to highlight something.

It is necessary to think about the specific type of color-sense. Avoid combinations of red and green, orange and yellowish green, blue and purple, dark brown and deep green, and grey and pink, as they can be difficult to tell apart by the specific color-sense eyes.

Do a final check of the slides and posters you have made. For slides, talk rehearsals help you to see if there is too much or too little information, or if improvement is needed somewhere. For posters, confirm that the readers can follow the contents easily when looking at it from a certain distance, as well as see if you can speak the summary talk of the contents within 3 minutes.

In all cases, make sure to confirm that you have all of the necessary materials to answer any possible questions. For slides, you can add such materials after the final page of the presentation. For posters, you can bring some extra materials. If there are handouts, you can add that information to them.

Preparing the Main Points for a Presentation

DEFINITION: Main points are the major divisions of the body of a presentation. Each main point introduces one idea, or makes one claim, that helps to advance the central idea (thesis) of the presentation.

LIMIT the number of main topics in the body of the presentation. Develop between two to five main points. Audiences often have trouble following a presentation that tries to cover too many major topics.

PHRASE main points in parallel language if possible. The similarity in wording that parallel phrasing introduces will help your audiences identify the major topics of the presentation.

STATE main points as concisely as possible. Use simple, declarative sentences to introduce each point you wish to make in the presentation.

BALANCE the development given to each main point. Each topic should receive roughly the same amount of time. If some points are developed at great length while others are just briefly noted, the presentation gives the impression that some main points are unimportant.

CONNECT each main point to the thesis of your presentation. The best way to avoid wandering off on a tangent is to ask yourself why this particular point is pertinent to the central idea of the presentation you are giving. Avoid the temptation to explore amusing facts and ideas which, while interesting in an of themselves, have very little to do with the central goal of your presentation.

USE clear transitional statements to indicate movement to a new point. Transitions alert the audience that you are finished with one point and are moving on. Without them, you risk leaving your audience behind as you advance to a new topic.

Guidelines for Using Supporting Materials in a Presentation

Definition: The term supporting materials refers to the information a person provides to develop and/or justify a idea that is offered for a listener’s consideration. Supporting materials serve a variety of functions in oral presentations: to clarify the speaker’s point, to emphasize the point, to make the point more interesting, and to furnish a basis that enables others to believe the speaker’s point. Without supporting materials, an oral presentation is little more than a string of assertions (claims without backing).

General Guidelines for Supporting Materials

  • Pertinence: Each piece of support should be clearly relevant to the point it is used to support.
  • Variety: The presentation should not rely excessively on one type of support (such as examples) but should instead use a number of different forms of support.
  • Amount: The presentation should include a sufficient amount of support (enough to make the ideas presented both clear and compelling to the audience).
  • Detail: Each piece of support needs to be developed to the point that audience members can both understand the item of support and can see how the item backs up the point it is used to support.
  • Appropriateness: Each piece of supporting material should meet the demands that the audience and the occasion place on the kind of material that is likely to be received favorably. A “scholarly” audience, for example, will probably place higher demands on the speaker’s sources of information than a “general” audience would. A “graphic” description of a particular topic, while entirely fitting in some occasions, might be out of place in another.

Specific Guidelines for Supporting Materials

Supporting materials are usually offered in recurring forms. Depending upon the form of support provided, you should ask yourself some questions to determine if you are making the best possible use of that kind of material:

For Examples/Narratives:

  • Is the example/narrative representative?
  • Is the example/narrative sufficiently vivid?
  • Is the example/narrative personalized?
  • If necessary, was the source cited in the speech?

For Statistics:

  • Is the source of the statistic reliable?
  • Has the source of the statistics been cited in the speech?
  • Has the statistic been used correctly?
  • Have you rounded-off complicated statistics?
  • Have you interpreted the statistic (explained it in another way)?
  • Have you done something to emphasize the statistic?
  • Have you used statistics sparingly?

For Testimony:

  • Is the source qualified to make the statement you’re quoting?
  • Is the quotation accurate?
  • Have you attributed the testimony prior to the quote?
  • Is the quotation brief?
  • Have you clearly signaled where the testimony begins and ends?
  • Are the source’s conclusions reasonably free from bias?

For Comparison/Contrast:

  • Is comparison justified?
  • Is the comparison meaningful?
  • Have you avoided overdoing the comparison?

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

The Perfect Presentation: Materials In part 1 of a 6-week series, we discuss how to create materials that will impress potential investors.

One of the most important aspects of any presentation is the materials you use to back up your pitch. They can mean the difference between a presentation that bombs and a presentation that gets you to the next level. From brochures and PowerPoint slides to props and snacks, here are the essential things entrepreneurs should bring to their first investor meeting.

PowerPoint Slides PowerPoint slides are a powerful way to back up any presentation--as long as you use them as a prop and not as a crutch.

"One of the early mistakes I made as an entrepreneur was that I had too many slides," says Ajay Chopra, a venture capitalist with Trinity Ventures who, as a former entrepreneur, raised $15 million through several rounds of VC funding for his startup. "Now, looking at it from the other side, I realize what a typical venture capitalist day is: one meeting after another. If you have a bunch of slides, and you can't really cover any topic thoroughly, then you leave the VC with more questions in mind than answers."

Chopra offers the following advice for PowerPoint presentations:

  • Limit the number of slides. Don't bring more than 20 slides; 15 is optimal.
  • Limit the information to high-level, key issues. Don't go too deep, or you'll confuse the people you're presenting to.
  • Keep the slides uncluttered. "What we're trying to gauge is you and not your PowerPoint skills," says Chopra. Just put enough words up to remind you of your key points.

Product Demos and Props "If you're doing a product presentation, you definitely need to appeal to the five senses," says Drew Stevens, Ph.D., author of Presentation with Muscle and president of Getting to the Finish Line . "The more you can get the audience involved, the better your presentation is going to be."

If your business is service-oriented rather than product driven, you should still bring something that demonstrates your business's strengths. "You want to bring whatever props will help pique curiosity," says Chopra. "We're always looking for evidence of what the customer thinks."

If you're a restaurant or services business, this could be pictures or a printout of a customer's e-mail or letter. "Those are very interesting props to look at to validate the story [you're trying to sell]," adds Chopra. "Don't bring a book of them, though--just a few. Three or four props will do."

Brochures, Handouts and Marketing Kits Bring any brochures you have to the first meeting, but limit the number of handouts.

"The objective of the first meeting is to get the second meeting," says Chopra. "If you're lucky enough to get a second meeting, that's when you want to come better prepared with more statistics and perhaps a handout or two."

Chopra also advises that marketing and media kits be saved for future meetings. "We want to hear what your marketing plan is, but that should just be captured on one or two slides in the first meeting."

If your company sells products retail, you'll definitely need to put together a media and marketing plan, including who you're marketing to, how you plan to attack the market, and the nitty-gritty details of the physical nature of the product, including size, weight and box design. If you're an online business, media kits and brochures are less important because most of the marketing is done online. However, you should still dedicate one to two PowerPoint slides to covering the basic information.

Producing Your Materials "You want the materials to be indicative of what you're representing," says Stevens. "For example, I do consulting. I don't want anybody to think of me a sole-proprietor--a one-stop-shop business that's only doing $50,000 to $100,000 a year. I want them to think I'm a $100 or $200 million company."

The people you're presenting to may know you're not a million-dollar company, but you should still prepare your materials like you are. Stevens offers the following tips for producing high-quality materials:

  • Make sure your brochures and other materials are printed on heavy, high-quality stock. A good rule of thumb is anything over 30 pounds.
  • Have all brochures or booklets bound.
  • Use semi-gloss, not glossy paper. Glossy paper is too reflective and can be hard to read.
  • Full-color printing is absolutely essential.
  • Have them professionally printed. If possible, skip the FedEx or Kinko's shops and take it to a professional printer, and above all, don't print it yourself. "While desktop publishing is very efficient and effective today, the fact remains that materials are better produced by a professional printer than yourself," Stevens says. "Anybody can tell that you printed it yourself; there's a big, big difference between the two."

What NOT to Bring Sure, you want to prove that you're prepared, but don't get carried away.

  • Don't bring your business plan or summary. "I remember when I was an entrepreneur and I had set up my first meeting with venture capitalists, I would go in with my business plan of 30 to 40 pages, and my business summary that was eight or 10 pages. Now I know that wasn't necessary," says Chopra. He advises that business plans and business summaries be limited to two to three PowerPoint slides.
  • Don't bring a lot of paper or content-rich PowerPoint slides. "Anyone can read a spreadsheet," says Stevens. "You're the real expert on what your business is. Let them know what's coming from your heart and from your mind."
  • Don't bring food. Unless it's a prop for your product or service, Chopra suggests leaving the food at home. Also, drinks and snacks will be provided at most meetings, but you should avoid eating if possible. "I would suggest reaching out for sacks only if you're really hungry, so as not to detract from the message you're delivering. Drinks such as water, coffee, Coke, etc., are OK."

What is a Presentation of Learning and Why Do We Do It?

A Presentation of Learning (POL) requires students to present their learning to an audience, in order to prove that they are ready to progress. Effective POLs include both academic content and the student’s reflection on their social and personal growth.  They are important rituals – literally “rites of passage” for students.

At my school, every student gives two POLs per year – one at the end of fall semester, and one at the end of the year. They happen at the same time that most schools have their final exams, and serve a similar function. However, unlike exams, POLs happen in front of an audience that includes their teachers, parents, and peers. By requiring students to present to an audience, reflect on their learning, and answer probing questions on the spot, we are helping students build skills that they will use for the rest of their life. Taking an exam, on the other hand, is a skill that students will rarely, if ever, need to utilize after they finish college.

Every team’s POL expectations are slightly different, but they all fall into one of two broad categories: “presentation” or “discussion”.

Presentation

The presentation is the “classic” version of the POL. A student gives a prepared presentation on their own, and takes questions. Designing a POL structure is a balancing act for the teacher: require students to cover too much material, and every one of your students will march in and recite a near-identical list of assignments completed and skills learned. On the other hand, make the requirements too open-ended and the POL can become an empty facsimile of reflection – or, as students have described it to me, “BS-ing”!

I once saw a POL assignment that included the phrase “it has to have some magic”, which students were free to interpret as they saw fit. It led to unpredictable and delightful presentations, and inspired more thought and extra work than any rubric could have.

The “Discussion of Learning” trades the presentation structure for a seminar structure: a small group of students facilitates their own hour-long discussion, with the teachers initially just listening, then adding questions to enrich and drive the discussion. The parents are invited in for the final fifteen minutes, when the students summarize the discussion thus far and invite the parents to participate.

In my experience, this format tends to lead to meatier, more honest reflection than presentations. Especially when students are allowed to choose their own groups, they tend to make themselves more vulnerable than in other contexts. This format also opens up a space for students whose voices aren’t always heard in the classroom. The most memorable POL I’ve ever been a part of was a discussion by a group of girls, all  them native Spanish speakers, who talked about having been made uncomfortably aware of their accents by peers, and struggling to make their voices heard within our team. It was powerful, effective, thoughtful – everything I would have wanted from a POL, but it never would have happened if the structure had been different.

Which format should I choose, and when?

Students will be best-served by experiencing both the “presentation” and “discussion” format at some point in their academic careers.

I like to end fall semester with a presentation, because individual presentations give me the clearest sense of which skills a student has successfully developed, and what they will need more help with in the coming semester. I then end the year with a discussion, because at this point I know the students very well, and in a small-group setting we can speak frankly both about their successes, and the potential problems they will face in the coming year. I end this discussion with every student setting goals for the summer and coming year that I record and email to the student and their parents, so that they leave my class with the best possible trajectory into the future.
