Have you ever been told you don’t need an application letter for a teaching job? Based on my conversations with many academic hiring authorities, you NEED one.

One of the most essential parts of the academic job search process is your teaching job application letter. Even a cover letter for a new teacher with no experience is critical. Grab a coffee, relax, and review these application letter writing tips to give you ideas to create your own.

Why would you risk not sending an application letter?

It is usually the first thing a school administrator or district superintendent looks at when hiring a new teacher applicant. An application letter, or a teacher cover letter, is how you introduce yourself as a teacher candidate. A one-page letter allows you to convey your passion, relevant expertise, credentials, and skills. Make sure you are not guilty of writing a long-winded cover letter .

Please don’t make it too short; you must communicate your value. It’s a balancing act!

How you write your application letter for a teaching job will determine if you will convince the reader to move on to your academic teaching resume and be offered a job interview. You must develop a hard-hitting, attention-grabbing application or cover letter with relevant keywords, teaching accomplishments, and action words that prove your worth as a teacher candidate.

Formatting a teacher application letter properly can be difficult if you are unfamiliar with technology and using word processing programs. It is best to match the resume formatting used to create your resume to keep your presentation consistent.

Make sure you thank the reader for their time and that you are looking forward to hearing from them soon. Address any points you feel do not fall into the standard categories (experience, credentials, achievements, strengths). Applying for teaching positions can be daunting because of all of the materials you need to submit. Your cover letter is an especially important part of the application since it highlights your best skills. Writing an excellent cover letter can set you apart from other applicants, so it’s important to take your time and write a targeted letter for every application. Start by researching the position and getting all of the necessary information before you start writing. Then, use the intro and body paragraphs to emphasize your qualifications for the job. Conclude your letter by emphasizing your interest in the position and requesting an interview, and don’t forget to revise and proofread before you send your letter to the prospective employer.

Gathering Information Before Writing

Step 1 Read the job posting carefully and underline or highlight key terms.

  • For example, if the position is for a Kindergarten teacher, then the position may indicate that you need to have undergone a preparatory teaching program.
  • If the job posting is online, you can transfer the text into a word processor and highlight using the highlight tool.

Step 2 Find out the name of the hiring manager.

  • Make sure to find out the person’s preferred prefix. For example, if the hiring manager is a woman named Nancy Cardigan, ask if she goes by Ms., Mrs., or something else.

Warning : Never write “To whom it may concern” to start a cover letter! This is too informal and it makes your letter seem generic from the start.

Step 3 Research the school, district, and position.

  • The school’s student population
  • Special challenges facing the school, such as budgetary issues or overcrowding
  • Extracurricular programs available to students

Step 4 Identify 3 experiences or skills that qualify you for the position.

  • For example, if you’re applying for a Spanish teacher position, you might want to mention your study abroad experience that enhanced your Spanish speaking skills, or your additional certification as a TESOL teacher.

Writing the Introduction and Body Paragraphs

Step 1 Include your address and the date followed by 3 spaces.

  • For example, you might list your address as “100 Main Street, Everytown, ND, 12345.”
  • Then, after adding a space, list today’s date in long form, such as August 8th, 2019.

Step 2 Provide the full name and address of the hiring manager.

  • For example, “Mrs. Sherri Mascarpone, Executive Director of Personnel, Sacramento School District, 1000 Johnson Lane, Sacramento, CA, 12345.”

Step 3 Greet the person with a formal salutation.

  • For example, you might start with “Dear Mr. Rodgers,” and then add a space and begin your introduction.

Step 4 Indicate the job you’re applying for and why you’d be a good fit.

  • For example, you might open with something like, “I’m writing to apply for the Math Teacher position that was advertised in this week’s paper.”
  • It’s also a good idea to give the employer some indication of who you are, such as by mentioning where you attended school and when you graduated or expect to graduate. For example, you might follow your first sentence with something like, “As a recent graduate of Universal University’s teacher education program, I am well-qualified for the position.” [6] X Research source

Step 5 End the first paragraph with 3 reasons you're qualified.

  • For example, you might write something like, “I’ve had a broad range of professional experiences that qualify me for the position, including working in the school district as a teacher’s aide while working on my college education, getting the opportunity to tutor at-risk youth in an after-school program run by a local charity, and completing my student teaching at this school.”

Step 6 Provide evidence of your experiences and skills.

  • For example, if you mention that you completed one of your student teaching rotations at the school you’re applying to work at, then you might expand on what you learned about the school and its teachers during that experience and how that knowledge would make you a good fit for this position.
  • If you mentioned that you hold a special certification, then you might expand on how that could enhance your ability to fulfill the needs of the position to which you’re applying.

Step 7 Emphasize what you’d contribute as a teacher at this school.

  • For example, you might include a line about your persistence and refusal to give up on students who struggle with course material, or you might mention that your professors or former employers have praised you for your ingenuity in designing engaging lessons.

Tip : Try to be as specific as possible whenever you talk about your qualifications. Point to professional experiences, certifications, training, and other evidence to support your claims.

Concluding Your Letter

Step 1 Reemphasize your qualifications and interest in the position.

  • For example, you might write something like, “Because of my professional experiences and special certifications, I’m very interested in the 7-12 French teacher position at Northwestern Central School.”

Step 2 Thank the employer for their time and consideration and look ahead.

  • Try saying something like, “Thank you for considering my application! I hope we can meet soon to discuss my qualifications further.” [14] X Research source
  • You may also indicate when you’re available or suggest a time and date for an even stronger option. For example, you could say something like, “I’m available to meet in person most weekday mornings and on Friday afternoons.” Or, you could say, “I’m available next Friday afternoon between 1:00 and 4:00 pm if you’d like to schedule an interview.”

Step 3 Provide an email address and phone number where you can be reached.

  • For example, you might write something like, “My cell phone number is (123) 555-1234 and my email is [email protected].”

Tip : You can skip this if you have included this information on your resume.

Step 4 End with a simple sign off and your name.

Revising and Proofreading Your Letter

Step 1 Check the content of your letter and revise as needed.

  • For example, if the job posting emphasizes that the ideal candidate should have evidence that their teaching strategies are successful, then you might want to add more detail on the positive feedback you’ve received during teaching observations.

Tip : If you’re a recent graduate or student applying for a teaching position, you might ask your advisor to review your cover letter for you and provide feedback. If they’re unavailable, visit your college’s career development center and ask one of the career counselors to review it for you.

Step 2 Ensure that your letter is brief and to the point.

  • Not making your letter more than 1 page long
  • Describing your skills using action verbs similar to the ones in the job posting
  • Avoiding long, intricate sentences that may be difficult to follow

Step 3 Read through the letter again to check for errors.

  • Try reading the letter out loud to help you spot any errors that you might miss while reading the letter silently.
  • Don’t rely on your word processing software to catch errors. These programs are not foolproof for spotting errors.

Step 4 Print the letter on high-quality bond paper and sign it.

  • If you need to submit the letter electronically, convert it to PDF format.

1. Specify the Involved Parties

A teacher contract form is useless if it doesn’t convey who are the parties involved in it. So, as the first step, make sure to specify the teacher’s complete name and your school’s official name. They’re the entities involved in a teacher contract. Also include the teacher’s other information, such as contact number and email address. And don’t forget to specify his or her specific teaching job, be it an online teacher job, a Math teacher, an English teacher, etc.

2. Emphasize the Start Date and End Date

Most employment contracts, be it a full-time or part-time employment contract, have a start date and end date. And teacher contracts are no exception. With that in mind, you have to emphasize when the new teacher will start teaching, as well as his or her last day. The start date and end date indicates when the contract will take full effect and when it’ll be null and void.

The contract obligates the teacher to do his or her duties between the start and end date. But he or she may leave the school before the contract expires, and that can affect the school’s workforce. For that reason, you should include a bond agreement for teachers in the contract. A bond is a contract clause that forces an employee to pay the company if he or she leaves before finishing the contract. It depends on the degree of his or her violation. For example, frequent tardiness and absences are glaring, but it’s not a case of immediate termination. Calling the teacher’s attention or suspending him or her is a viable sanction for that. But during the second or third offense, the school admins could have the right to fire the teacher. However, for grave offenses such as student harassment and stealing school property and private data, those can be grounds for immediate termination. On top of that, the school can also file a case against the teacher.

When is the best time to onboard new teachers?

The best time of the year to hire new teachers is during summer break. That’s because there are no classes, and it’s a time when most unemployed teachers, especially new grads, hunt for teaching jobs.

Should teachers get paid during a shutdown?

What to Do When Your Teaching Contract is Non-Renewed

Education is a field in which most professionals enter on a provisionary basis and demonstrated success can secure a more protected job status. Although provisionary periods vary by state, there are some common threads within the process of a teacher contract and the experience.

In fact, many states or divisions non-renew all provisionary teachers on an annual basis and only rehire those the budget allows and who have proved themselves as strong educators. Many times a non-renewal letter is more of a formality and protection for the division in the event of budget shortfalls.

Yet, even when a teacher knows that they will likely be rehired in the same division, fear and a general feeling of numbness is common as the teacher contract renewal date rolls around. Regardless of the circumstance, emotions run high during non-renewal periods for provisionary teachers.

If the non-renewal is likely to proceed due to budget or performance, fear and anxiety are compounded. Teachers enter the field after at least a four-year college program, so a significant investment has been made into this life choice. Non-renewed teachers are likely to feel embarrassed and alone; however, time is better spent strategically planning, as difficult as that might be.

What Does Being Non-Renewed Mean?

Although the final result may feel the same, non-renewal is different from termination in key ways. Non-renewal only happens at the end of a provisional or annual contract. Continuing contracts will not be non-renewed, as termination is the only way a district can bring a continuing contract to a non-voluntary end through breaking teaching contract mid-year.

Teachers with continuing contracts have a right to a due process hearing for the contract to be terminated at any point, but provisional teachers only have the right to a due process hearing within the period of the finite contract. Non-continuing contracts can be ended with or without cause.

Non-renewal at the end of a contract period may not be related to job performance. There are common reasons for non-renewal that are not associated with job performance:

  • Budget woes
  • Changes in student enrollment
  • Not achieving full licensure

Non-renewal can also occur because the teacher is not performing at a satisfactory level. These reasons should be clear and documented in observations and formal evaluation proceedings.

Although provisional teachers can be non-renewed without cause, these teachers have the same rights to proper evaluation processes, non-discrimination, and timely notification. Notification and exact proceedings vary by state so teachers should be clearly informed of their state and district procedures.

Steps to Take When Your Contract is Not Renewed

Remaining calm and rational is most important thing to do when your teacher contract is not renewed or if you feel there are signs your teacher contract will not be renewed. You should advocate for yourself while remaining professional. In addition, there are some logical next steps.

Considering Submitting Resignation

If the non-renewal process is not complete, submitting a resignation letter may be considered. Resigning from a position does not carry the same stigma as non-renewal. Although future employers may ask about the resignation, the teacher can provide justification.

Ask to Speak with Division Superintendent

The Division Superintendent is the supreme employee within a district and communicates directly to the Board regarding personnel recommendations. Asking for a meeting with this key individual may be beneficial, especially if building-level leaders have not adhered to the evaluation and notification procedures.

Although the superintendent does not need to provide a reason for the non-renewal of a provisionary teacher, they can listen. This meeting may spark conversations among school leaders regarding procedures. School principals must adhere to strict guidelines regarding the evaluation of provisional personnel and timely notification.

Contact Union or Association Representative

If a non-renewed teacher feels discriminated against or that proceedings leading to the non-renewal were not aligned with state and district policies, meeting with a union or teacher association representative may be advisable. The representative can advise the teacher if any rights have potentially been violated. For example, when a principal uses budget to justify non-renewal, but quickly proceeds in hiring new staff, the teacher may have some additional options.

Secure Letters of Recommendation

If the teacher feels the non-renewal is related to reasons outside of job performance, it is wise for the teacher to secure letters of recommendation. Quality letters of recommendation from school leaders, district leaders, and a coworker will be very valuable as the teacher seeks new employment.

Add Additional Endorsements

A rational way to proceed after non-renewal is to work to add additional licensures and credentials. Some certifications, such as high school mathematics and special education, are more desired. Thus, having these certifications will more likely secure a continuing contract.

If a reason for non-renewal is shared or found in evaluation documents, teachers should work to improve and attend professional development opportunities related to this deficiency. This training will demonstrate commitment to improvement.

Apply for New Positions ASAP

Securing a new job as soon as possible is critical for paying bills, but also easing the opportunity to find new work. Shortening or eliminating any break in service will lessen the stigma associated with resignation or non-renewal. Teachers whose contracts have been non-renewed need to check websites and agencies for teaching vacancies regularly.

Explore Private and Charter Options

Sometimes a teacher is non-renewed because they were on a provisional teaching license and did not meet the state’s expectations for full licensure within the time allotment. In this case, private and charter schools might offer some possibilities; these schools do not always have the same required qualifications for teachers.

Employees participating in the Tuition Tax Exemption Program must submit the completed Job-Related Graduate Education Certification form for their  Degree/Advanced Certificate  or  Non-Degree  Program with their  Tuition Exemption Application  by the application session deadline.  Please review the  employee  and  supervisor  instructions for additional information.  Please note, Part-Time instructors ar able to use tuition exemption in either Summer Session A or B regardless of the session in which they are employed.
