Or better yet, try not to have a grocery run always. Meetings, especially those with no clear agenda, can eat a lot of your time as well.
  • Interruptions, checking mails, multi-tasking. Especially when you are very deep in your thoughts, an interruption can break your concentration, and it will take some time to get it back. For example, a five-minute unexpected phone call may lead to another 5 minutes (or more) wasted just to return on track with your study time. 

Checking mails are also timewasters. Having a “quick mail check” can potentially lead to checking this and that, and by the time you’re done, you just realize how much time you have wasted. It will certainly take some discipline to avoid looking at your mail several times a day.  Finally, multi-tasking, although this is a good attitude in general, should also have its own.

But sometimes, it’s better to keep your attention to a specific activity. For example, don’t read your books and study your lectures while updating your social media accounts.  So, how do you kick your timewasters to the curb? These are helpful tips to keep these things away from sabotaging your productivity. 

  • Find ways to make it impossible to play on your phone constantly. 
  • Schedule your activities.
  • Make your meetings more productive. 
  • Prevent distractions
  • Limit the use of emails.

Tip No. 2: Make a Schedule and Stick to It.

Once you have cleared so much of your time, it’s now time to structure it. It’s best to create a schedule with the commitment to stick to it. But admittedly, it’s easier said than done, right? So, how can you successfully stick to your new schedule?

  • Be realistic. Life is unpredictable. Keep this in mind as you make your schedule. Allow some wiggle room. When necessary, be open and ready for change. 
  • Schedule some fun. Who hasn’t heard the saying, “All work and no play makes a boring and stressful day”? The same applies when you are still a student. If you are so buried with schoolwork, chances are you will feel tired and overwhelmed. It’s okay to schedule an activity for yourself to do nothing but relax, engage in self-care, and relieve some stress. 
  • Pinpoint your productive times. If you are not a morning person, do not schedule most of your studying during that time. If you think you are sharper and more productive at night, do not binge-watch your favorite Netflix series at night. Be wary of the things that will and will not work for you until you finally find an effective routine. 
  • Find the needed tools for scheduling. As you make your schedule, write it down. Whether on your phone, your laptop, or just a scrap sheet of paper, choose what system will work for you.
  • Have the proper mindset. If, at some point, your schedule doesn’t go as planned, don’t get easily discouraged. You can still get back on the right track. There’s no point ruining an entire week just because something bad happened on a Monday. 
  • Learn to Prioritize. When you make a schedule, ideally, it has to have some hierarchy in priority. You may be tempted to complete ten tasks in a day, but you know you don’t have enough time to do so. Identify which tasks are important and learn to prioritize.
  • Practice the 80/20 rule. This rule is simple: most of the time, 80% of your preferred results will have to come from 20% of your hard work. As far as time management and scheduling are concerned, make sure you create a schedule to get the highest return on your time investment. 

Tip No. 3: Handle the Small Tasks First.

Have you ever heard of the cliché “baby steps”? It is there for a reason. When you are up for a major project, you have to start small baby steps. Start with simple tasks initially to avoid early discouragements, which easily lead to procrastination and distraction.

Accomplishing smaller tasks can make you feel satisfied. Thus, your motivation to continue is further boosted. This will place you in a proper state of mind where you can handle even the more challenging and lengthy portions of your plans. Education is a unique journey. You have to do it on your own. But this doesn’t mean that asking for help is unavoidable, especially if you come across tasks that you know you cannot handle single-handedly.

Understanding the importance of delegating the less important tasks is very crucial. For example, if the house needs some cleaning, or dinner needs some preparation, or a grocery run is on top of the household’s daily need, ask someone to do this. 

Tip No. 4: Take Advantage of Time Management Methods and Techniques.

Now is the perfect time to hone your time management strategies and techniques. Remember, this is different from time management skills. The latter concerns the internal process, while the former refers to external actions and theories that will help you achieve the desired behavior. So, what are these useful methods and strategies? 

  • STRATEGIES. In the context of improving one’s time management, “strategies” refer to the rules and laws that will help you manage your time. These rules will vary for every person. We all have our unique quirks and personalities, and we are all in varying education and working conditions. 

Still, below are the five common strategies that are universal. 

  • Don’t do too many things at a time, as this can lead to problems.
  • Be flexible and rational
  • Take care of yourself. During this point, your mind is the most important tool. Treat your body and mind well!
  • Be consistent.

TECHNIQUES. There are several techniques you can use to improve your time management skills. The secret is to find the best one that will work for you. Here are a few techniques worth trying. 

  • Kanban Technique . This technique is based on Toyota’s manufacturing strategy, and it includes a visual board. You can see three or more columns on the board representing the different stages of your task, such as your to-do, in progress, and done. This is perfect for visual learners or for those who appreciate accessing information through visual means. 
  • Timeboxing. This is another time management technique, and it involves using a calendar and illustrating physical boxes that represent blocks of time to achieve a certain task. Timeboxing can curb your urge to make something perfect by limiting a task to a certain block of time. 
  • Pomodoro Technique . This is a technique that revolves around the idea that people must take ample breaks to work efficiently. For students who are bent on engaging in marathon studies or work sessions, this is a good reminder that it is important to take much-needed breaks once in a while. 
  • S.M.A.R.T . This technique focuses on creating goals and achieving tasks in a more efficient method. When you have your tasks at home, take time to make them clearer. S is for specific, M for measurable, A for achievable, R for relevant, and T for time-bound. The SMART technique is very easy to implement, and its distinct elements are easy to measure, making it easier for everybody to effectively determine their progress. 
  • The Eisenhower Box. This is also called the Eisenhower Matrix and is designed to help you prioritize your tasks. This works by assigning tasks into four different groups: important plus important, not urgent plus important, urgent plus not important, and not important plus not urgent. With this technique, you are required to decide if a specific task is indeed needed. This will allow for an opportunity to think if a task you think you need to comply with is really necessary.

The Reminders feature on Google Calendar has gotten quite good and is  simple. Because so many school use Google products and students are likely  to be familiar with Google Calendar, the Reminders feature is easy to  learn. The process starts just like creating any other calendar entry,  except the student licks Reminder instead of Event. The reminder  appears on the calendar. If left undone, it rolls to the next day. The  student can event set a repeating reminder for those routine tasks. Best of  all, the student can use a voice command to add tasks: OK Google, remind  me to study for the math test.  For a more full-featured task app, I recommend Toodledo . It  allows voice input, forwarding emails into it, and a great amount of  flexibility.  Google Drive is free and provides all a student would need in terms of  creating documents, spreadsheets, and presentations. There’s no software to  install or update. Students can access their work from any device. Many  schools use Google Classroom already, meaning students will already be  organizing that platform to organize their work.  I like the fact that every Google Drive entry has its own URL. Suppose a  student finishes a paper on Monday and needs to print and submit that paper  on Friday. On Monday, copy the URL. Create a Reminder for Friday and paste  the URL into the reminder. On Friday, the student doesn’t even have to  remember where the paper is located. Copy the URL in the Reminder and paste  into the browser. There’s the paper!

Students can access the list of their responsibilities anywhere including their phones, tablets, and desktops. They will learn that to accomplish a goal, they must identify all parts for achievement and take notes on their progress. Parents can also access these accounts and help their child with identifying priorities and creating an order based on them. Teachers can comment on different tasks as they are in progress. Teachers do have a lot on their plate. But sharing a list of assignments, or steps in completing it, with the teacher will allow them to give input on the process. In the end the teacher actually saves time because the student is guided to meet the teacher’s expectations.  As opposed to trying to remediate an incorrect assignment/project or provide extra credit work to boost a student’s grade at the end of the semester.

One of the best time management technologies is  Todoist . Besides the website, there are also desktop and mobile device apps.

You can start with daily to do list titled  Today .  

  • Here you can quickly add assignments that must be completed before the end of the day. 
  • If items are not completed on time they will be moved to the  Overdue  list.  
  • You will see a notification badge, on the desktop and mobile apps, with the number of  Overdue  items.

You also have the ability to create a  Project.  

  • For students in the secondary school, I suggest creating a  Project  list for the label it with the name of each content area.
  • Set a due date.
  • Pick the project where the task will go by typing # and choosing from the list.
  • Create labels.
  • Set the task’s level of priority.

When students have long-term assignments they can create a new  Project  and nest it under the content area.  

  • The students can then outline the exact requirements given by the teacher and make each one a new task.
  • This can be treated as a running record of notes for the steps are taking to meet this requirement.  Each step is its own  Comment .

Communication and collaboration are the absolute best aspects of ToDoist.  

  • The teacher and parent would need their own ToDoist accounts.
  • By sharing the  Project  or an individual  Task,  the parent and teacher can make their own  Comments.
  • Add an attachment or a voice note.
  • These features are only available with a paid account.
  • An alternative is uploading documents to Google Drive and then copying and pasting the  Shareable Link  into the comment.

Additionally, if you create a daily schedule of your child’s after-school activities, you can make comments throughout the day.  For instance, who will be picking them up or where they left their sneakers.

There are several possible limitations to consider:

  • Is the ToDoist website blocked by school internet filters and how do you go about getting it unblocked?
  • If you are concerned about getting your child an email address and then changing the password, I suggest looking into purchasing a Google Suite where you can control access to their account
  • Although not required, it would be nice if the teacher was willing to collaborate with the parent and child on their quest to become more efficient and organized.

It lets you organize your classes by subject and create notes per chapter or subsection. Having the ability to record audio while in class, search for words even if they were handwritten, and insert media clip photos/videos, all while having your notes be accessible to you anytime-anywhere makes this application a no brainer for academic success.

Secondly,  WunderList  is a to-do list application that is also easily synced across devices. It eliminates the physical bulk of a planner/agenda and adds all of your important to-do’s by category with helpful reminders to make sure you don’t miss that upcoming deadline.

Lastly, the  Google Calendar  application, which can often be easily overlooked by students. Most University emails are set up through Google – Google Calendar makes it effortless to transfer events and meetings included within message text to your calendar with a simple click. Having your test dates and extracurricular jotted down with little effort makes practicing efficient time management more achievable!

One of the most important life skills for anyone to master is time management. Keeping track of everything that we have to do and carving out the time to get it all done can be a real struggle. Try these time management strategies and techniques, plus find helpful tools for staying on track.

General Time Management Strategies

These time management strategies work for everyone, helping you set goals and prioritize, then set a schedule to get things done.

Visualize the big picture

Use a calendar of some type to lay out all your big-picture goals for a year, month, or week. Include major projects and assignments, as well as school and personal events. This is your place to get an overview of everything that’s on your plate. Keep items to broad descriptions: “History Project” or “Spring Play Opening Night.” You’ll get into the details next.

Break it down

The next step is to take major projects and assignments and break them down into smaller, more manageable parts. This is an incredibly effective way to overcome that feeling of “I’ll never get this all done!” It also prevents procrastinating on an entire project until the very last minute. Set smaller, more manageable goals with their own due dates in advance of a complete project or event.

For example, imagine your big-picture calendar says “History Project Due Feb. 23.” Breaking that down could look like this:

  • Choose topic and presentation method: Jan. 9
  • Initial research: Jan. 10-30
  • Presentation outline: Jan. 31
  • Write presentation script: Feb. 1-5
  • Create visual aids: Feb. 6-12
  • Rehearse presentation: Feb. 13
  • Fine-tune presentation: Feb 14-16
  • Final rehearsals: Feb. 17
  • Give history presentation: Feb. 23

At first, this method might feel a little overwhelming, because it may make you feel like there’s too much to get done. But as you use it, you’ll see how it can actually make you feel more prepared and in control, and make your time easier to manage.

Determine priorities

Sometimes it’s simply true: You don’t have enough time in a day to get all the things done that you’d like to. That’s where setting priorities becomes vital. In the “Time Management Techniques” section below, you’ll find several different ideas for determining the priority of different items on your lists.

Once you’ve figured out which items are the most important, try a color-coding system to indicate which items get a higher priority. This will help you identify at a glance what you need to do now and what can wait until another day.

Make daily to-do lists

Make it a habit to start each day by creating a to-do list. (Not a morning person? You can do this the night before too.) Include high-priority items, as well as things you’d like to do but may not have to complete. Throughout the day, as you complete an item, revisit your list and check it off. It’s incredibly satisfying to cross things off, and checking in with your list a few times a day ensures you don’t forget important things.

Limit multitasking

Today’s world places a lot of value on multitasking (doing several things at once). But when you’re doing multiple things at the same time, you’re probably not doing any of them well. So keep your multitasking to a minimum. When it’s time to work on something, set your focus to that particular thing. Other stuff can wait.

But some multitasking is OK. For instance, you might throw your clothes in the washing machine, then work on your math homework while waiting for them to be ready for the dryer. Later on, you could fold and put away the laundry while practicing conjugating Spanish verbs out loud. This type of multitasking works because the physical tasks are ones that don’t require much concentration, leaving your brain free for academic subjects.

On the other hand, avoid something like trying to listen to a podcast for your history class while also doing your math homework. Your attention won’t be fully on each, and your learning will suffer.

Remove distractions

Some people are capable of deep focus no matter what’s going on around them. Most of us, though, need to find ways to remove distractions when it’s time to get down to work. Here are some examples to try:

  • Turn off your phone, or set it to alert you only in case of emergencies.
  • Wear noise-cancelling headphones or earplugs to block out distracting sounds. A white-noise machine or app can help with this too.
  • Close miscellaneous tabs in your web browser (like social media or news sites), and use only the tabs you need for your work.
  • Go into a quiet room and shut the door. Ask friends and family not to disturb you.
  • Check your to-do list before you start to make sure you’re on track. Then, clear your mind of other projects or tasks, and focus on what’s at hand.

Do an end-of-day review

At the end of each day, sit down with your to-do list. Was there anything you didn’t get to? Move it to another day. Did you feel too rushed today? Think about how you might make tomorrow run a bit more smoothly. Where do you stand in terms of your big-picture goals? Take a few minutes to adjust any plans accordingly.

Try a time audit

It’s OK if you don’t get to everything on your list every day. But if you find that there’s never enough time to get things done, you might benefit from a time audit. Over the period of a week or two, write down exactly how you spend your time, hour by hour. Then, look it over and see if you can identify problem areas. You might need to cut down on some optional activities and give that time to high-priority items instead. Learn how to do a time audit here.

The time management strategies we’ve talked about so far are general ways to stay on track and get stuff done. But there are multiple ways to approach some of these strategies, especially when it comes to actually settling down to work. Check out these popular time management techniques and choose one or more that seem right for you.

Eisenhower Decision Matrix

President Eisenhower developed this matrix and used it to help him prioritize his tasks. He looked at each item to evaluate it by importance and urgency, then broke them into four categories:

  • Do First: These are urgent, important tasks with high priority.
  • Schedule: These are important tasks that aren’t quite as urgent.
  • Delegate: You may be able to delegate less important but still urgent tasks to someone else.
  • Don’t Do: These non-urgent, unimportant items can be eliminated entirely or postponed indefinitely.

Here are some possible student examples for each category:

  • Do First: Homework that’s due tomorrow takes top priority, as might doing laundry if you’re out of clean clothes.
  • Schedule: Set aside time (see Time Blocking) for smaller parts of long-term projects, such as research time or writing an outline. That could be today or one day in the near future.
  • Delegate: Students aren’t always able to delegate their tasks, but they can ask for help. For example, if your schedule is incredibly tight, you could ask your dad if he’d be willing to throw your clothes in the dryer when the washer is done.
  • Don’t Do: These are often bad habits you need to break, like surfing the web aimlessly instead of working, or texting your friends for hours instead of doing your chores.

ABCDE Method

This is another time management strategy for prioritizing the tasks at hand. Assign each item a letter:

  • A: Highest priority
  • B: Should do soon, if not today
  • C: Could do, but no serious consequences if not done
  • D: Delegate or ask for help
  • E: Eliminate from your list

This is very similar to the Eisenhower Matrix, with a little more flexibility around should-dos and could-dos. Learn more about the ABCDE method here.

Most Difficult First (Eat That Frog)

This method is based on a quote often attributed to Mark Twain: “If it’s your job to eat a frog, it’s best to do it first thing in the morning. And If it’s your job to eat two frogs, it’s best to eat the biggest one first.”

In other words, don’t put off the biggest, hardest tasks. Get them out of the way first. Then, everything else you have to do will seem easy in comparison.

For some people, though, this concept can be counterproductive. If you’re already feeling overwhelmed, tackling something extremely difficult can be too much and cause you to shut down entirely. In that case, it’s just fine to choose smaller, simpler items. The key is to make progress, one step at a time.

Pomodoro Technique

The Pomodoro Technique is a simple time management method: You work for 25 minutes at a time, then take a 5-minute break to rest and recharge. Simply set a timer for 25 minutes, and focus on one single task until it goes off. Then, you can spend 5 minutes stretching, resting your eyes, or checking your social media feeds. When the 5 minutes are up, set the timer for another 25 minutes, and get back to work. If you do four 25-minute sessions in a row, take a longer break afterwards. If 25 minutes seems too short and you’d like a little more uninterrupted time, try Flowtime instead. This stretches out both the work and break time proportionally. If you work for 25-50 minutes, take an 8-minute break. For 50-90 minutes, you get a 10-minute break. And if you’ve been at it for more than 90 minutes, take 15 minutes to recharge. Explanation of a timebox, a type of time management tool

Parkinson’s Law says that work will always expand to fill the amount of time available. Timeboxing seeks to shrink tasks back to the size they truly need to be. When you timebox, you set a specific amount of time for a task and complete it within that time.

In other words, you might look over your study planner and decide that you need one hour for tonight’s geometry and chemistry assignments, plus you’d like to spend another hour working on your English essay.

Set a timer and work on your geometry and chemistry for an hour, with no other distractions. When the timer goes off, reassess and adjust your goals as needed. Since you have to finish that homework tonight, you’ll probably need to add more time if you’re not finished.

Your English essay isn’t due for two weeks, though, so if you’ve boxed out one hour for working on it today, that’s all you need to do. Set a timer, determine your goals for day, and get to work. When the timer goes off, you’re done for today.

Time Blocking

This method is similar to timeboxing, but it involves setting blocks of time aside on your calendar for specific tasks. For example, you might block out 4 p.m. to 5 p.m. each day for daily homework, 5 p.m. to 6 p.m. for working on your biology research paper, and 7 p.m. to 7:30 p.m. for piano practice. Some people like to start each day by blocking time out on their calendar, figuring out how they’ll make the most of their time. Find out more about time blocking here.

Great app, some suggestions.

Really awesome concept, just got it so can’t really say how it performs, but right off the bat there were some things I wish were different. Here are just a few suggestions: 1) for the amount of estimated time of homework on the home page, it would be nice if it could show it in hours/min. Like you don’t hear people casually saying “I have spent 120 min on hw today” 2) also it would be nice if you could set what time the assignment is due. Sometimes I have two assignments due in one day, but one may be in the morning before class, and the other may be due at the end of the day at 11:59pm. That makes a huge difference in terms of priority. 3) also another minor thing is maybe to be able to set which class is a bigger priority. For example some teachers/classes are more strict on deadlines than others. 4) one more thing, it would be nice to be able to actually put in what time specifically in my schedule is free, i think it would be more effective in reminding me of when to do my homework. Sorry for the long review but I really hope you read this and take these suggestions into account! Thank you for this app!

If you know anything about the most efficient to-do lists , you’ll know they tend to divide a large task into several smaller ones. Remember the Milk gives you the option of creating subtasks. This is a great way to manage time if you aren’t sure where to start.

There’s no better time than now to work out new school systems and schedules. And that includes getting familiar with a few apps that help to improve time management , focus, and productivity . Here are my top 5 picks for middle and high school students.

1. RescueTime

This time-tracking app is a game changer! It records how and where you spend your time online. It analyzes everything you do in a day — from which apps you use to how much time you spend on your favorite websites. (No hiding your time-management habits here!) Consequently, if you want to seriously eliminate distractions and get work done faster, it can even temporarily block websites that negatively impact your focus.

2. Remember the Milk

This app takes a lean and fast approach to task management, which is the main reason why my students gravitate to it. You just add your tasks in plain text, organize them into lists, and you’re done. Its simple design means there are no extra features (no distracting graphics) to navigate. It shows you the tasks you need to do today, tomorrow, as well as any that are overdue right when you open the app. It also includes due dates, along with priorities on tasks, so you know what your most important responsibilities are. This app also syncs with all devices.

3. SimpleMind

Everyone learns differently, and many of my students love mind mapping. SimpleMind helps you organize your thoughts by creating mind maps, which can then be seamlessly synchronized across multiple platforms and shared with others. It allows you to add photos, videos, and even voice recordings. My students especially like that they can customize the appearance of their mind maps and select different layouts.

4. MyHomework Student Planner

There are quite a few electronic planner apps out there. But I find most to be clunky or hard to use. Which is why I always prefer a paper planner . For those who prefer electronic planners, I recommend the MyHomework Planner. It gives you a calendar to track your assignments, exams, and other important dates, as well as a homework widget where you can sync your assignments and receive due date reminders.

Sometimes, we all need a little help ignoring all those calls, notifications, and text messages that bombard us. Offtime allows you to temporarily disable all the distracting apps, messages, and calls. Just set your “leave me alone” time period and the app blocks all interruptions on your phone and temporarily disables all apps. But its best feature is the option to create preset schedules.
