Having been active in the Society for Young Clinical Laboratorians (SYCL) 2 for several years, the opportunity to give something back as a speaker at the SYLC Workshop preceding the 2016 AACC Annual Meeting was an honor. The SYCL workshop centered around the theme of communication and leadership, and I was asked to provide insight into effective communication with staff and trainees—a rare chance to reflect on the soft skills that we all use every day. These are the skills that some believe can't be taught. This may be true, but time spent on thoughtful contemplation of what we do and how we do it is usually time well spent. Researching and reflecting on this topic has raised my awareness of the importance of communication, including communication challenges such as providing constructive feedback and listening. Below, I attempt to share my findings and my experience.

Be visible.

Listen with your eyes as well as your ears.

Notice that these 5 habits have little to do with what one says but rather how one says it. Keeping your message simple and genuine will go a long way. In addition, more than half of communication is nonverbal including body language, gestures, and eye contact. It is important to be aware of what you are saying nonverbally. Even a brief moment of checking your email during someone's presentation conveys a nonverbal message. Styles of communication vary. An excellent article by Mark Murphy distills communication into 4 styles: analytical, intuitive, functional, and personal ( 2 ). Although no style is superior, effective communicators know how to recognize and match their communication style with their audience whether it be their boss, peers, direct reports, or trainees.

As leaders and educators, some of our most valuable and formative communication will be in the form of feedback. Statements such as “great job” and “well done” are easy to give and are certainly well received. However, the receiver may be left wondering what specifically they did that was great and wondering if there are areas that could be improved. When giving feedback, it is important to be positive (if it is genuine), be specific, be immediate (or at least timely), and be tough if needed, but not mean (or rob the recipients of their dignity) ( 3 ). In many cases, the person receiving the feedback recognizes what is going well and what is not, so start by asking for his or her perspective. Ask them how they feel they performed or if there are areas they want to improve upon. This step opens the door for constructive feedback without a defensive atmosphere. Formative feedback should be given in private and not in the hallway or in front of peers. And although it is often a delicate process, honest assessment of a person's progress can lead to substantial growth and improvement.

In my experience, the most underused and least perfected communication skill is listening. In professional settings, individuals with authority should listen more (i.e., talk less). I have a favorite quote: “Most people do not listen with the intent to understand; they listen with the intent to reply” (Stephen Covey). To illustrate the truth of this statement, I asked the SYCL workshop attendees to pair up and do an exercise in listening. Each pair chose one person to be a speaker and one to be a listener. The speaker was asked to talk about any topic they wanted to for 2 minutes. The listener's job was to listen and not say a word. Just listen. As I watched this exercise unfold, I observed listeners who were struggling not to speak, desperately wanting to share their own story, offer their advice, and provide their feedback. On discussing the activity, attendees felt that “just listening” was difficult and far more challenging than speaking. This is more food-for-thought in our daily interactions.

Finally, it was indeed a rare (and somewhat terrifying) opportunity to stand in front of the next generation of leaders and be asked to provide them with a few personal golden nuggets of professional advice. Initially, it was overwhelming, but once I really thought about what I have found to be important in my professional interactions, the following came to light: ( a ) Say what you mean and mean what you say (even when it's easier to say what you think people want to hear). ( b ) In leadership and management relations, a “unified front” will make your job easier and your team more confident. Conversely, a “divided front” will do the opposite—create division in the work unit and drain positive energy from the team. ( c ) Don't tip-toe around the hard stuff, it won't go away. ( d ) Be real. And perhaps most importantly, ( e ) wrap it all up in a package of kindness.

Effective Written Communication and Its Importance

Written communication can be an important part of both your personal and professional life. Even if you work in an office that doesn't have you communicating with people daily, having the right kind of written communication skills can help you get promotions and jobs, as well as succeed at school or college.

To make sure that you’re always communicating the right way, it’s important to know what kinds of written communication you should be using—and how those different types differ from each other. Here are eight of the main types of written communication skills that every modern person should have in their arsenal.

Types of Written Communication: The 8 Types You Need to Know

1) persuasive.

A persuasive essay is an argumentative piece that aims to convince the reader that your opinion or idea is the best. There are many types of persuasive essays, but all have one purpose- persuading the reader that you're right.

Persuasive essays can take different forms, but each one typically has five parts: introduction, body paragraphs, conclusion, evidence, and a call-to-action (aka what you want the reader to do).

While any persuasive essay needs to have these five parts in order, it's up to you how they're structured. For example, if you're arguing against a specific policy or law, your introduction might read In our society today... and your conclusion might ask readers not just to agree with you but also take action.

2) Informative

There are many different types of written communication , each with its purpose. Knowing which type you need for your situation can help you create a better outcome. Below is a list of common types and what they are typically used for.

Personal letter- personal letters are often written when someone wants to write something that will be shared with one person or a small group. Personal letters can also be used for apologies, congratulations, condolences, or other sentimental communications between close friends and family members.

3) Instructional

The types of written communication are cover letters, business letters, emails, memos, proposals, research reports, and speeches.

A cover letter is a document that you include with your resume when applying for a job. It's the first chance you have to make an impression on the employer and it should show your interest in the position and why you would be a good fit for the company.

A business letter is typically written by an individual who wants to make an inquiry or provide feedback about a product or service. An email is one of the most common forms of communication today and can be used for anything from sending birthday wishes to coworkers to asking clients for payment.

4) Narrative

If you want to communicate with people, you are going to need some form of written communication.

There are many different types of written communication , but for this post, we will focus on four that are most common and relevant. These are emails, text messages, social media posts, and letters.

While all four have advantages and disadvantages and may be better suited for certain contexts than others, they each deserve a mention because they can help you get your point across in a way that is best suited for the situation.

5) Descriptive

Written communication is necessary for every type of project, job, and profession. There are many different types of written communication , from professional memos to social media posts. Here are the types you need to know.

  • Memo- a short note that may be informal or formal, which could serve as an introduction or summary
  • Letter- a longer note with more detail that is typically sent via postal service
  • Email- messages sent over the internet in an email account such as Gmail
  • Meme- humorous pictures with words overlaid on them
  • Tweet- brief status updates on social media sites like Twitter or Facebook

6) Definition

There are many different types of written communication . Some examples are formal, informal, and persuasive. Formal written communication is when you write in a very formal style with a lot of professional jargon.

Informal written communication is when you write more like you would speak to someone face-to-face; for example, using slang or misspellings. Persuasive written communication is when the writer's goal is to persuade the reader by providing facts and evidence to back up their argument.

7) Compare and Contrast

The four types of written communication are formal, informal, memoranda and proposals. Formal writing is used for business purposes and meetings. Informal writing is a casual way to communicate with friends or family members.

Memos are shorter messages that are intended to be read by a few people. Proposals are used when you need approval from someone before moving forward with an idea or project. Memos are usually more detailed than emails because they can provide more background information on the topic at hand.

8) Cause and Effect

To write effectively, you need to know the different types of written communication . The first type is persuasive writing, which is writing that tries to convince the reader or listener to adopt a particular point of view or take an action.

Persuasive writing is often used in sales and marketing materials because it can encourage someone to purchase a product. Another type of written communication is informative writing.

This type of writing provides information so that the reader can make informed decisions about a subject. Informative articles are often found in newspapers and magazines but are also used on sites such as Wikipedia.

The third type of written communication is narrative-based writing, which tells a story about an event or person's life using description and dialogue.

Reasons Why Written Communication Is Important

Everyone knows that talking to people in person (or on the phone) can be effective. But what about communicating with them through text?

There are plenty of people who think that written communication is sub-par compared to face-to-face interactions, but there are just as many reasons why written communication should be considered important, even in 2016 and beyond! Here are 10 reasons why written communication is important no matter what your industry or career path may be.

1) Helps to Get the Message Across Clearly

Written communication is important because it helps you get your message across more clearly. Whether you are sending an email, text, or writing a letter, written communication is a great way to express yourself with words on paper.

You can take your time and not worry about being interrupted or having someone else talk over you. You can even stop and go back if need be. Plus, you know that the person reading it will have time to think about what they just read rather than having the information thrown at them all at once in a meeting or phone call.

2) Helps to Keep a Record of What Was Communicated

Communicating in written form is important for many reasons, including the ability to keep a record of what was said or agreed upon. For example, if two people agree on a certain date and time to meet, it's often helpful to write this information down.

It also helps when you want to make sure that you're interpreting things correctly. If one person says It's going to be hot tomorrow. while the other says It's going to be cold tomorrow. then they may need to clarify their messages by adding more detail.

3) Helps Avoid Misunderstandings

Written communication is crucial because it helps avoid misunderstandings. If you are having a conversation with someone and they don’t understand what you mean, the conversation will stop until you can find a way to clarify your message.

When writing a message, however, there is time to reword sentences or find other ways of communicating the same idea so that both people understand what's being said. This leads to less confusion and frustration on both sides.

Written messages also save time because there's no need for back-and-forth conversations; one person sends the message, then another person responds with a response or reply.

4) Helps Save Time

Written communication is a great way to save time. In the modern world, many different types of written messages can be sent back and forth. For example, with email, it is possible to type out what you want to say and then hit send.

Then your message will be delivered in a matter of seconds! Messages like this allow people to communicate quickly without having to spend any more time than they need on their phones or computer.

Additionally, not only do messages like this save a person's time but they also conserve their resources. When sending an email someone doesn't have to talk on the phone or use any paper which saves them money.

5) Helps to Communicate Complex Ideas

Written communication can be very helpful in situations when verbal communication is difficult. For example, written language can more accurately communicate complex ideas than verbal speech. It also helps to reduce misunderstanding and assure that all parties are on the same page.

Plus, written communication allows you to more thoroughly explain your thoughts and put them out there without having the pressure of being interrupted or worrying about how someone will react if they don't like what you're saying. To make sure a message gets across effectively, it's important to be specific and straightforward - which is much easier in written form because you have time to edit your work.

6) Helps Reduce Ambiguity

Written communication is important because it helps reduce ambiguity. In the business world, ambiguity can lead to miscommunication and costly mistakes. For example, if you are running a company and have hired someone to be a part of your team but they never said they were interested in the position, you may find yourself without a vital part of your organization.

That's why written communication is so important - it ensures that everyone is on the same page and there's never any confusion. It also allows for records to exist that people can refer back to later. Plus, writing out what you want someone to do means you won't forget it when they're not around or ask them again over email when time is precious.

However, while writing can help reduce ambiguity at times, some people think that writing has the opposite effect. They say verbal communication conveys more emotion than writing does and can convey intent better than an email ever could. But even these naysayers agree that having good verbal communication skills will always help in many different situations as well as give others a clearer understanding of what is being communicated.

7) Can Be Reviewed and Revised

Communication is important in all walks of life, and it's even more important in business. When you communicate with your employees and clients, you need to make sure that they understand what you're trying to say. This is where written communication comes in handy. It makes it easier for people to read and comprehend what's being said.

Plus, it helps eliminate any misunderstanding or misinterpretation that might occur during a verbal conversation. It also allows you to review and revise before sending your message.

What would happen if an employee sent out an email without double-checking the content? The information could be off-base, confusing, or just plain wrong! Using a method like an email, blog post, or social media post, allows us the opportunity to edit our message before hitting send.

Written communication is important because it is easy to share, it can be saved for later, and it can be read at your convenience. The most obvious reason why written communication is important is that you don't have to worry about mispronouncing a word or forgetting what you want to say.

It also makes communicating in different languages easier since the words are spelled out for you. And since written communication can be saved for later, you can refer back to it if needed. Finally, written communication allows people from all over the world to understand each other without any barriers to understanding through language or culture.

9) Allows for Standardization

Written communication is important because it allows for standardization, which can lead to more effective interactions.

One of the benefits of written communication is that it provides a quick and easy way for people who might not be in the same location to communicate with each other. It also makes it possible for people to store information in a centralized location and access it at any time.

Finally, written communication makes it possible for people who speak different languages to communicate as long as they both have access to the same writing system. It has been used by organizations such as the United Nations (UN) to facilitate international relations between nations that don't share a commonly spoken language.

Today, ending relationships is being used as an easy way out when people fail to agree or communicate effectively. A relationship is a special or emotional connection between people. When people who are closely connected fail to communicate effectively, it can lead to broken relationships. Lack of communication leads to misunderstandings, doubts, resentment, and feelings of isolation thus an end to a relationship because of the distance put between two people due to communication breakdown. When there is no communication, there is no understanding and the misunderstanding builds up and takes over the relationship leading to a breakup. There are several reasons that can lead to broken relations but the lack of communication is the number one cause for ending relationships.

Communication entails passing a message and the other person receiving the message. In fact, effective communication is one of the key foundations of a happy and successful relationship and it is also one of the significant reasons why relationships end. Without communication, there is no sense of the relationship because there is no way it could survive without the couples communicating. Lack of communication fosters negativity, anger, arguments, and resentment as a result of unresolved conflicts and this can potentially drive the partners apart. In every relationship, there are arguments and conflicts but all these can be resolved. However, if left unresolved due to the lack of communication, it creates negativity as well as weakening the emotional bond between partners ultimately leading to the end of a relationship. Therefore, effective communication is vital to relationships, hence, the lack of proper communication can lead to the end of a relationship.

Communication is important for any relationship. The more people communicate effectively with each other, the more understanding and satisfying their relationships become. On the contrary, the people who stop communicating with each other destroy their relationship and this might lead to the end of the relationship. Lack of communication can be caused by stress, different work schedules, misunderstanding, and lack of trust. Today, most couples have different work schedules, and this does not allow them to see each other or to communicate with each other most of the day or more often. When they finally meet maybe in the evening or on their leave days, they are tired and just need time to rest. It is apparent that the time they spend together is very little and the couple finds it hard to get time to communicate with each other due to a busy schedule and this can end their relationship.

In addition, some couple or even friends have poor communication skills because they have no idea how to express themselves when with their partners or friends. Friendship or rather relationships cannot be successful if either one does not effectively communicate about issues, feelings, and even emotions with the other. Some partners will even keep quiet expecting the other party to guess what they want or what the problem is and this can be detrimental to any relationship. In fact, some couples even think that it is not important to express their love for each other verbally and it is unfortunate that this destroys relationships because of the less communication in relationships/marriages, the higher the breakups and divorce. While it is true that people do not seem to speak in the same language or communicate in the same way, proper communication is essential to all couples because it will not lead to a misunderstanding that can end a relationship. Therefore, people should learn to communicate more often and openly with each other to ensure a happy and fulfilling relationship because lack of communication in any relationship can lead to the end of the same relationship.

 Lack of communication has considerable effects in a relationship. First, when people fail to communicate, it leads to misunderstandings. Suppressed communication can lead to a lack of understanding due to arguments between the couples and since there is no proper communication, several conflicts are left unresolved leading to the end of a relationship. Failing to discuss issues in a relationship fails to provide a solution and this creates more conflicts and arguments. In addition, lack of communication in a relationship can lead to a lack of intimacy and this can destroy a relationship. Romance and intimacy are key in every relationship. However, if couples do not communicate, there is no way they can be intimacy and this can end a relationship.

In conclusion, one significant reason that can lead to the end of a relationship is the lack of effective communication. The many people who stop communication at some point in their relationship will always end their relationship because there is no bond and interest in each other anymore. In fact, to maintain a healthy and successful relationship requires effective and positive communication, because, without communication, it is impossible for a relationship to survive. People need to learn to communicate to each other to establish a strong, happy, and successful relationship.

Organizational communication on the other hand is the conveyance of information within an organizational setting. Communication is essential in every organization because it entails information that plays an important role in effective performance.

Every organization has set a number of objectives in order to be competitive in the ever changing world. In order to achieve the set objectives and to gain comparative advantage, organizations should invest in proper communication procedures and channels. This essay explores the importance of communication in an organization, the types of communication present in organizations, communication systems in organizations and flow of information.

Importance of organizational communication

Communication is one of the crucial components in every organization and its efficacy is the secret in realizing overall organizational success. Communication can only be considered efficient when the receiver of the information understands the subject and the meaning of the message conveyed. The function helps employees and management to interact with each other in order to align individual goals with organizational goals.

Furthermore, communication helps in the setting and implementation of organizational goals. Communication also helps in the formulation of plans to execute objectives that have been set by an organization. In addition, communication ensures successful and appropriate administration of human resource and other resources. Moreover, the function helps in directing, motivating and building an environment in which employees aspire to contribute positively (Barker, 2002).

There are two main categories of communication in organizations namely, systematic or formal communication and informal communication. Under formal communication, information is passed from one person to another through official channels that have been set up and approved by the management.

On the other hand, informal communication also called grapevine is the kind of communication based on personal contact. Informal communication does not adhere to specific procedures that are created and mandated by the management of an organization (Barker, 2002).

The main communication systems in an organization are oral and written systems. Oral communication systems normally involve passing of information through word of mouth which is the main code of communication. Typical channels of oral communication are face to face dialogue, phones and also videos.

Oral communication is known to provide immediate feedback as compared to other forms of communication. On the other hand, written communication is the conveyance of information through written materials like letters, memos and reports. Moreover, written communication systems have an advantage of being tangible and are much easier to confirm if the information received is true or false.

During the communication process in an organization, the flow of information is likely to develop into varied directions. The directions consist of upward communication, downward communication and lateral communication. Under upward communication, messages are conveyed from bottom to top levels in the organization. Information mostly flows from the subordinates to their superiors.

Furthermore, the information in upward communication involves factors like opinion of employees, attitude of employees and employee grievances. The main disadvantage of upward communication is that information is likely to be changed or distorted during the flow because of the different chains of command.

On the other hand, downward communication runs from superiors to subordinates in the organization. The communication is normally characterized by giving orders, knowledge of communication and widening of thoughts. This kind of communication takes a lot of time hence information can be lost or denied through the different chains of control. Moreover, it often leads to misunderstanding of directions hence a backward link has to be created in order to verify transfer of the right information (Rho, 2009).

Lateral form of communication also known as horizontal communication involves communication between people of the same level in an organization, for instance heads of departments. It is much quicker and effective for information to be conveyed laterally as compared to upward and downward communication because it lacks chains of control. However, lateral communication can be impaired through rivalry and overspecialization of job functions which eventually lead to conflicts and unwillingness to share information.

From the research, it is evident that communication is very important in any given organization hence should be held in high regard for the purpose of achieving overall organizational success. The management of every organization should put in place guidelines and procedures that ensure communication is carried out effectively. Proper communication helps in the coordination of different activities and improves the interpersonal relationship among the people working in an organization.

Due to diverse levels in an organization, it is difficult to choose one particular way of communication. Therefore, different ways of communication are used to ensure that communication is passed from one person to another in the most appropriate and timely manner. Every form of communication has their pros and cons hence a lot of patience and compromise is needed to ensure efficiency.
