This project examines the aspect of the hospitality industry which is Hotel management. In the 21st century the use of the internet, computers and other electronic devices have made handling different jobs and aspects of management very easy. This project is the design and implementation of an electronic hotel management system that provides proper management of data and transactions in a centralized and organized manner and also provides a user friendly interface with which the user can interact easily with the just little or elementary knowledge of operating computers. This project is designed to create a platform that allows booth the user and administrator to keep track of transactions like room reservations, room booking, financial administration of the hotel, staff record keeping, online reservation and other day to day activities involved in the running and management of a hotel. The implementation is based on the requirements for a hotel management system. The project work is divided into five major categories which are; Front Desk, Accommodation, Catering, Finance & Account and Personnel Staff Record (Human resource management). This project accomplished the task of building a system that ensures accurate record maintenance which was done through proper identification of customers and the proper designation of user functions with most of the processes being done automatically. An electronic hotel management information system is required to assist management of data in the hospitality industry and also to make the entire hotel management process easier. The project was designed with the use of Microsoft visual Studio which is an integrated development environment made by Microsoft. It can be used to develop console and graphical user interface applications along with windows form application websites. The database system was created using Microsoft SQL server (MSSQL).

This project is dedicated to Almighty God, most Gracious, most Merciful and Determiner of all things without whom I would not have been able to successfully complete this project. A hotel property management system (PMS) is a ‘a set of application programs that directly relate to hotel front office and back office activities e.g. revenue management, reservation management, room and rate assignment, check-in & out management, guest accounting, folio management, account settlement and room status management’ (Kasavana and Cahill, 2003, p. 4). The availability and accessibility of data are vital to those in the hospitality industry. The hospitality industry requires a large volume of data to run day-to-day business operations and to achieve excellent service delivery. Unlike other industries, hospitality is a service-based industry that relies upon an ability to form relations with a customer base (Kokaz Pucciani and Murphy, 2011). As a result, the industry is reliant upon information about consumers and their preferences. These preferences may range from preferred room type to information about personal needs.

— It is very important to build new and modern flexible dynamic effective compatible reusable information systems including database to help manipulate different processes and deal with many parts around it. One of these is managing the room reservations for groups and individual, to focus necessary needs in hotels and to be integrated with accounting system. This system provides many tools can be used in taking decision.

This study aims to develop and design an on-line hotel reservation and management system for the College of International Tourism and Hospitality Management of the Lyceum of the Philippines University, Batangas Campus. It presents user-friendly features that will familiarize CITHM students on the online hotel reservation system, evaluate it and highlight the benefits it can provide to the college and staff. In addition, it will purvey supplement material in their front desk operation course. The researchers used the System Development Life Cycle and Microsoft Web Developer 2008 as the programming language. The developed software served as a tool for the students of CITHM to familiarize them on how to operate an online hotel reservation system. The developed software was an effective aid for the instructors in teaching the basic operations of hotel reservation system to their students. It also provided online security to protect privacy and financial information of clients.

With the rapid development of modern computers and emerging media and network information technology, the hotel industry is becoming more and more information-based management. Therefore, in the information environment, the hotel information system is effectively designed and implemented to help consumers complete online hotel reservations more conveniently, which has become a key issue in the development of China’s hotel industry. This paper aims to study the design and implementation of hotel management information system based on smart terminals. Based on the analysis of the characteristics of the hotel management information system and system performance requirements, the hotel management information system is designed and the performance of the system is tested. The test results show that the system response time is within 3 s, and the CPU occupancy rate of the system modules is also within 30%, which meets the performance requirements of this article.

Furthermore, the users can use the system to advertise available rooms. The customers may see and reserve rooms from the comfort of their own homes too. Then the admin has the authority to approve or reject a customer’s booking request. As a result, the system is used by both consumers and admin to control hotel activities on the go.

Moreover, the system is primarily responsible for hotel management in the database’s core section. It also gives information on the various hotel services as well as their current status. Guests can come to the website and register with the system by providing the required information.

Project Scope:

The hotel management system software automates major hotel processes like COD generation, billing, and keeping track of daily transaction data. Its database can also be controlled and modified by the admin.

Hotel Management System Project Modules

• Customer Management: this module manages the activities that happen in customer management. The customer management module helps the hotel admin with securing all the customer transactions and accommodation.
• Services Management : in order to compete with the other companies, this module must be present in the system. This will save and monitor the services rendered by the crews to the customers. Of course, the services were all based on what the hotel offers
• Rooms and Accommodation Management: checks and updates all rooms and accommodation status to provide quality services for customers. It also lightens the job of the hotel admin because it records all the customer’s transactions.
• Reservation Management : this module is applied to customers who were fond of reservations before availing of services. It secures the accommodation details requested. Obviously, this module lets the customer avail and choose the accommodation that they want.
• Customer Transaction Monitoring: This task requires a lot of effort to do, even so, it should still be present in the system. It secures all the customer’s transactions as well as its status.
• Employee Management: refers to the endeavor of assisting employees in doing their best work each day. This is applied in order to meet the organization’s wider goals. It also encompasses a wide range of jobs and responsibilities, nevertheless, almost all of them will be categorized and handled properly.
• Expenses and Revenue Management: this is the fluid of their business and it secures all the revenue records. It also monitors the calculation of the system’s expenses.

These modules must be present in creating the Hotel Management System Project to satisfy the needs in managing Hotel transactions. Through this, the management and monitoring of customers would be much easier for the Hotel admin and employees.

The UML diagram for hotel management system aids as a blueprint for the project documentation. These diagrams are explained according to their roles in the project development.
