Applicant FAQ

Do i have to fill out an application.

All candidates must complete an electronic application through the Iowa State Employment Opportunity website at  www.jobs.iastate.edu

Is there a limit to the number of positions I can apply for?

No, there is no limit.

How long will a posting be listed on the web?

Most postings will be listed until the “guaranteed consideration date”, which can be found beneath the application instructions on the Iowa State Employment Opportunity website. If a position is posted on www.jobs.iastate.edu , you may apply to it. However, in order to receive guaranteed consideration, applications must be received and complete by the guaranteed consideration date.

What is a guaranteed consideration date?

The date by which applicants must apply for a posting if they wish to be considered. If a guaranteed consideration date is July 3, candidates must apply by 11:59 pm Central Standard Time on July 3.

We recommend you plan ahead as applications may not be considered after this time.

Will late applications be accepted?

If the posting is available on the website for applications, then you may apply. If the guaranteed consideration date has passed, then your application may not be reviewed. Iowa State does not collect applications outside of the online application system.

How can I apply for positions that were previously posted?

If the position is not listed on the website, you will not be able to apply for it.

What information will I need when applying for a position?

You will be asked to provide personal information, education history, and answer pre-employment questions such as prior Board of Regents employment and authorization to work in the U.S. based on the position for which you are applying.

Each time you apply to a position using the same login, you will be given the option to Autofill with Resume, Apply Manually or Use My Last Application. Please note that if you select Use My Last Application and do not upload a new cover letter or resume, the system will use the last resume and cover letter you used.

You will be asked to verify that the information is still accurate and, if not, you will have the opportunity to edit. You will also have to answer any supplemental questions, attach documents as requested in the Application Instructions of the posting and read the certification and certify and submit your application.

Can I save an application in the middle of creating it and come back later?

Yes, you will be able to save the application when you are applying for a specific position, you may save and return later by clicking “Save Changes.” Please remember that unless you complete the application process by the guaranteed consideration date your application may not be considered.

Edit your application

To edit the application before submitting, log into your  candidate home account  with your username and password. Click on “Candidate Home” and scroll down to “My Applications”. You will see your active and inactive applications, the status of the applications. Under “Action”, you can select to continue the pending application, view the application or delete the application.

Click “Save Changes” on each screen until you get to the end. On the final screen click “Submit” to submit your application.

Please note that once you submit your application, you will no longer be able to edit your application.

After the position closes, you will no longer be able submit your application or view the job description.

How long does my application remain active in the system?

Each application is active until the candidate is notified through their Candidate Home page that they are no longer under consideration, the position has been filled, or the posting has been withdrawn.

Will I be asked to attach a resume or cover letter?

Professional and Scientific and Faculty positions require you to attach a resume and cover letter. You will be asked to attach documents as you go through the online application process. Additional documents may be required per posting application instructions.

PDF documents are recommended. Please note the maximum document size is 5MB. Alternatively, during the application process you can select to manually enter your employment and education history or parse from an attached resume.

Will I be asked to attach reference information?

Faculty postings will request a list of references including contact information (e.g., name, email, relationship, phone number) to be uploaded as a PDF. For all other positions, references will be requested as needed.

How do I attach a document?

After clicking "Apply to this Job", you will have the opportunity to upload documents. If you select "Autofill with a Resume", you will be asked to upload a resume before you can continue. If you select "Apply Manually" or "Use My Last Application", you will be asked if you would like to upload your documents at the end of the application process.

After clicking that button and completing the Employment History section, Applicant Documents will appear. The online employment site accepts documents in Microsoft Word or Adobe Acrobat (PDF) format, of a file size less than 5 MB.

Can I attach a different resume for each position I apply to?

Yes, if the position you are applying to requires a resume you will be able to choose which documents to attach when you are in the “Applicant Documents” section of each application. If you have previously applied to a posting at Iowa State University and have used our system to upload documents, the system will give you the option to use a previously uploaded document. However, if you wish to upload a new document, you can name and choose a file from your computer to submit.

To whom do I address my cover letter?

Career Guide: How to write a good cover letter

Kelly Schiro September 19, 2014

The amount of people who don’t take cover letters seriously is surprising. From an employer’s point of view, cover letters are crucial in narrowing down potential candidates for a job or internship.

While a resume and cover letter don’t guarantee a job, they get you a step closer, by getting you an interview.

Taren Crow, Director of Liberal Arts and Sciences Career Services said, “Cover letters give you a chance to communicate in a paragraph format, which is different from a resume.”

Crow believes a good cover letter is well organized and the paragraphs flow. In cover letters, people can showcase their highlights and skills, show their writing style and tell employers why they are a good fit for the company.

Crow said that they should be tailored to the position you’re applying for and include skills and experiences that employers might look for, why you want the position and how the employer will benefit.

Proofreading cover letters is crucial in the writing process.

“Definitely proofread it, read it over out loud, see how it sounds and then bring it to somebody who has expertise in that area,” Crow said.

It’s a good idea to have several people look over a cover letter. They could be family, friends, advisors or even a college career center.

“We all know the different industries that we work with and we know their preferences for cover letters,” Crow said.

Look out for upcoming workshops from your college career center. Students can also make appointments at anytime.

Another great person to look over cover letters is an industry professional or a hiring manager who looks at cover letters frequently.

“I’ve seen thousands of resumes, I’ve interviewed hundreds of people and I’ve hired dozens of people,” Michael Kaplan, hiring manager of 25 years.

Kaplan gives many presentations to student organizations in major Iowa colleges (UNI and Iowa). Presentation topics range from resumes, LinkedIn, Career Fairs, interviewing and cover letters.

“I’m going to give a cover letter about 30 seconds tops, before I decide it its going to go any further,” Kaplan said.

In those 30 seconds, Kaplan looks for evidence that the student read the job posting, any spelling or grammatical errors and an area where the student makes the case they have the needed skills.

Evidence for reading the job posting or spelling and grammatical errors limits about 30-40 percent of applications, Kaplan said.

If a student can’t convince Kaplan that they’re qualified and can communicate that effectively, then they won’t be considered for an interview.

“The cover letter is really the opportunity for the student to provide their unique value proposition of why I should keep going,” Kaplan said.

Kaplan suggests students have a brief opening, a body with three to five bullet points explaining skills and experiences and a brief closing.

He also emphasized the importance of tailoring the cover letter to the company. In the past, he has received generic cover letters that were sent to multiple companies and received some with the wrong company name on them.

If students want to contact Kaplan or have him present at an organization, e-mail him at [email protected] .

Dr. Rachel Azima, Director of the Writing and Media Center (WMC), said that consultants look to see if students are being specific enough, providing enough detail and showing rather than telling.

In a cover letter, Azima thinks students shouldn’t just say they work well in teams, but rather give an example of when they were part of a team for a project.

Azima suggests students include what position they’re applying for, why they’re interested and in the body of the cover letter include why they’d be a successful candidate.

“The cover letter should cover things not in the resume and highlight things that students don’t want employers to miss,” Azima said.

While Azima encourages students to seek help from career services, the WMC is always willing to lend another pair of eyes.

“If students want to brainstorm ideas or just have another pair of eyes to look at their cover letters, we’re happy to do that,” Azima said.

Students can make an appointment with a WMC consultant on their website. Azima said it also helps if the students know what they want to talk about at the appointment.

After writing a cover letter, it’s best to have several different places look over it. Career services, industry professionals and the WMC are all good places to start.

Protect Yourself from Scams

Unfortunately, students may stumble upon fraudulent employers in their job search. Below are a few red flags that may indicate a potentially fraudulent employer:

  • Employer websites that are vague with no examples of client work, contact information or social media accounts.
  • Job activities that do not match the description the employer provided to the school.
  • A job’s physical location does not look suitable for the employment and/or does not match the address listed on the Form I-983, “Training Plan for STEM OPT Students.”
  • A relatively unknown or unfamiliar employer that hires a large group of F or M students from a school.
  • The work is done remotely and/or through apps such as WeChat.

If in doubt if a company is legitimate, contact your Career Services Office or International Student Advisor for assistance.

Cover Letters

Cover Letters often accompany your resume when applying for part-time jobs, internships, and full-time positions. If you think of your resume as offering a quick snapshot of who you are, your cover letter provides the opportunity to expand upon your experiences and connect your specific skills and knowledge to the position.

As you detail your most related experiences, don't simply repeat the bullet points on your resume. Instead, focus on the takeaway of your experiences - as a result of a particular experience, what new skills did you develop and what new knowledge did you gain? How does this connect to what the position is calling for? We want you to be confident in your cover letter - please use the following information to assist you in developing or revising your cover letter.
