So this is one of the classroom systems that is better when it has been thought about already and there’s a plan in place for managing the missed work and getting assignments back in a timely manner.

Any time I have something I know I will be doing more than once, I try to devise a system for it.

It helps to streamline classroom routines and helps me to remember whether I have done it or not – ha!

I remember as a new teacher sitting down to do grades my first time through and then promptly realizing how many grades I was missing because some students didn’t turn in their makeup work!

It was definitely my error in not following through, but I knew right away I was going to need a plan ASAP to remedy how I would keep track of students who were missing and how to get the work returned in a timely manner.

Best Makeup Work Folders

Some teachers prefer to have a folder with resources to manage the organization of the missing work.  If it’s all in one spot, it’s much easier to keep track of.  Especially if the folder is a bright color that is hard to miss.

And today, we have a BONUS!  Earlier in the morning, I noticed another topic that took off on it’s own on our Facebook Page .

From a fellow fan Tina: “ Help! I have been teaching 11 years and still have not found a fool proof way to get work out to students who have been absent and DOCUMENT that they have received it so that they don’t come back later and say they never got it… AND get it back in a timely manner… Any suggestions? “

Well, in true OC Blog style, the fans came through once again and gave Tina all sorts of suggestions!

In particular, I like to use a folder to place the absent work in as I am passing out papers throughout the day so I don’t forget.  I have even been known to just place the Absent Folder on the missing child’s desk and have someone sitting nearby place the papers in the folder as they are being handed out.  At the end of the Bonus e-book, I created a simple template if you wish to do the same.

EDITED TO ADD: My Missing Work Log/ “Yellow Sheet” is an idea I got from a veteran teacher during my field experience in college.  I have used it for eight years now with great success.  Many of my own colleagues (and lots of you – thanks to the ole internet) have also adapted this classroom routine, and I’ve received a lot of great feedback.  This year, I updated the sheet a little bit and made a simple printable version so it can be used in your class right away.  I hope you will find it useful… To start, here’s a quick explanation of how the Missing Work Log works:

On the day an assignment is due, the rule in my classroom is that EVERYONE turns SOMETHING in.  If a student does not have his/her assignment, he/she must fill out one of these Missing Work Logs (which I affectionately call “The Yellow Sheet” because they are printed out bright yellow paper) and turn it in in place of said assignment.  Blank logs are kept in a stack at the front of my classroom, and my students know to grab one if they are missing an assignment on a due date. (Over the years, this journey to retrieve a yellow sheet at the front of the room has become known as the “walk of shame” in class.  It’s all in good humor; but, it does play on their pride and keep them in line a bit.)

The log itself asks for basic information like the assignment title, due date, and student signature.  Once it has been filled out and turned in, I keep the Missing Work log in my stack of collected papers for the assignment OR on my attendance clipboard so I know to nag remind those students constantly until the assignment is turned in.

The next day/week/month when the late assignment is (finally) turned in, I record the date it was turned in, the number of points deducted (based on school policy – ours is 10% per day late), and the final score.  **This version of the log also includes a spot to record contact with the student and parent about missing work too.  I don’t make personal contact for every missing assignment; but, it is nice to have a spot to record that information right there when I do.

The bottom portion of the sheet is detached when an assignment is turned in and stapled to the assignment, so the student (and parent) knows exactly why they got the score they did on an assignment.  The top portion gets filed and saved in my record.

 If the assignment never comes in, a zero is recorded in the grade book and the yellow sheet gets filed. These work GREAT on parent teacher conference day and help to keep me from being accused of losing student work, etc.

This is great! I use a modified version of this, but have been looking to revamp mine. I have a question about yours: when the student does finally turn in the assignment, how do the get the bottom portion back to fill out? Do you have to go retrieve it for them or do you have a system for that? Thanks!

What if the student does not turn in the yellow sheet?? I can see some of the students refusing to fill out the yellow sheet. Have you found this to be a problem? Can any other teachers comment on this?? I have a major issue with missing assignments and am looking for ways to reign it in!!

The problem is not likely to be reliable. You can afford to fix it? Can you afford not to have a car for a couple of days? How are you going to work? The other problem with older cars is that you might have trouble finding parts for that, depending on the coche.Yo say it's a bad idea for a first car. Just buy a decent car, a couple of years to a great couple. When you get older and can afford two vehicles, then do it. Plenty of time for that.

Last year I began teaching at a new school (after taking off five years) and homework (or any outside assignments) were rarely turned in on time. You have wonderful ideas to implement.

I do have one thought to consider with memes:

The image with the office manager (Gary Cole) from the film, Office Space, is from a movie that I loved.

However, this movie has some adult themes and humor that I don’t think we should be associated with as teachers. It’s one of those movies that we might forget that there is an amped up sexual scene with the office manager (Gary Cole) and the Jennifer Aniston character.

These memes can blur the boundaries between teachers and students, so we need to take great care with what we share with our students as it is connected to us.

My Favorite Way to Manage Students’ Missing Work

For me, trying to manage students’ missing work used to be such a headache! It was so much work to keep my lists up-to-date and get current information to students.

I tried so many systems, and regardless of what I did, I found myself drowning in small sheets of paper. It took more time for me to track down missing assignments than it took for the students to complete the work.

I guess it took remote and hybrid teaching to help me finally get down an effective system.

First, I created a sheet in Google Sheets™ to record the assignments I assigned each day. Each week, I created a new tab and labeled it with the date. I checked off work once it was turned in, changed the box to red if the assignment was missing, and changed the box to blue if the assignment needed a second look.

Now that it was easy for me to see who completed a given assignment, who was missing it, and who needed a second look, I needed a system of communicating that with the students. I also wanted to make sure this information was available to parents.

Using Google Docs™ allowed this information to be easily shared

I created a separate Google Doc™ for each of my students with each of their names, brief instructions, and the list of what they were missing. Using the share button, I changed the permissions so that students, their parents/guardians, and support teachers were able to edit and view the document. This allowed everyone to have up-to-date information regarding students’ outstanding assignments.

So I didn’t have to go back into each missing work page to update as students completed their work, I allowed students editing access. They delete the assignments off their list after they complete them. A few students tried deleting their assignments off the list without completing them. For students who made this a repetitive habit, I changed the settings to comment only which allowed them to inform me what was finished without actually deleting their on-going list. 

Initially, it did take a bit to set up each of my students’ pages. However, now that it is done, I can quickly update my students’ pages. I created a bookmark folder on my taskbar called Missing Work. Within that folder, I have each individual page. I just need to click on that folder to access the missing work pages. Compared to handwriting, erasing, searching, forgetting to update, and writing again that happened with my previous systems, Google Doc missing work pages are saving me tons of time. 

Why I LOVE this system:

  • Students are responsible for checking their missing work page and managing it themselves by deleting what they complete
  • Parents have easy access to see if their child is missing work and help support him/her at home
  • When I email parents about missing work, it is easy to reattach this page for the information
  • Teaching assistants or other staff members can help support my students complete their work, too
  • I don’t have to continually rewrite missing work notes
  • All the information is in one place—say goodbye to little notes everywhere
  • Students just need to click the hyperlink to find their assignments

How To: Help Students to Complete Missing Work: The Late-Work Teacher-Student Conference

The reasons that students fall behind in assignments are many. Students who are just developing homework skills , for example, often need more time than peers to complete independent assignments, can find it challenging to focus their attention when working on their own, and may not have efficient study skills (Cooper & Valentine, 2001). To be sure, student procrastination and avoidance in work assignments is a widespread problem. And many students who fall behind in their work also develop a maladaptive, self-reinforcing pattern of escape-maintained behavior: as these students owe ever-increasing amounts of late work, they respond to the anxiety generated by that overhang of overdue assignments by actively avoiding that work. And thus the problem only grows worse (Hawkins & Axelrod, 2008).

When a student begins to slip in the completion and submission of assignments, the teacher can take steps proactively to interrupt this work-avoidant pattern of behavior by meeting with the student to create a plan to catch up with late work. (It is also recommended that the parent attend such a conference, although parent participation is not required.) In this 'late-work' conference, the teacher and student inventory what work is missing, negotiate a plan to complete that overdue work, and perhaps agree on a reasonable penalty for any late work turned in. Teacher, student (and parent, if attending) then sign off on the work plan. The teacher also ensures that the atmosphere at the meeting is supportive, rather than blaming, toward the student. And of course, any work plan hammered out at this meeting should seem attainable to the student.

Below in greater detail are the steps that the teacher and student would follow at a meeting to renegotiate missing work. (NOTE: Teachers can use the Student Late-Work Planning Form: Middle & High School to organize and document these late-work conferences.):

  • Inventory All Missing Work. The teacher reviews with the student all late or missing work. The student is given the opportunity to explain why the work has not yet been submitted.  
  • Negotiate a Plan to Complete Missing Work. The teacher and student create a log with entries for all of the missing assignments. Each entry includes a description of the missing assignment and a due date by which the student pledges to submit that work. This log becomes the student’s work plan. It is important that the submission dates for late assignments be realistic--particularly for students who owe a considerable amount of late work and are also trying to keep caught up with current assignments.  A teacher and student may agree, for example, that the student will have two weeks to complete and submit four late writing assignments. NOTE: Review this form as a tool to organize and document the student’s work plan.  
  • [Optional] Impose a Penalty for Missing Work. The teacher may decide to impose a penalty for the work being submitted late. Examples of possible penalties are a reduction of points (e.g., loss of 10 points per assignment) or the requirement that the student do additional work on the assignment than was required of his or her peers who turned it in on time.  If imposed, such penalties would be spelled out at this teacher-student conference. If penalties are given, they should be balanced and fair, permitting the teacher to impose appropriate consequences while allowing the student to still see a path to completing the missing work and passing the course.  
  • Periodically Check on the Status of the Missing-Work Plan. If the schedule agreed upon by teacher and student to complete and submit all late work exceeds two weeks, the teacher (or other designated school contact, such as a counselor) should meet with the student weekly while the plan is in effect. At these meetings, the teacher checks in with the student to verify that he or she is attaining the plan milestones on time and still expects to meet the submission deadlines agreed upon. If obstacles to emerge, the teacher and student engage in problem-solving to resolve them.

If you’re a student searching for a way to keep your assignments organized, congratulate yourself for taking the time to set yourself up for success. Tracking your assignments is one of the most important steps you can take to help you stay on top of your schoolwork .

In this Writing Tips blog post, we’ll discuss why keeping an inventory of your assignments is important, go over a few popular ways to do so, and introduce you to our student assignment tracker, which is free for you to use.

Why Tracking Is Important

Keeping your assignments organized is essential for many reasons. First off, tracking your assignments enables you to keep abreast of deadlines. In addition to risking late submission penalties that may result in low grades, meeting deadlines can help develop your work ethic and increase productivity. Staying ahead of your deadlines also helps lower stress levels and promote a healthy study-life balance.

Second, keeping track of your assignments assists with time management by helping prioritize the order you complete your projects.

Third, keeping a list of your completed projects can help you stay motivated by recording your progress and seeing how far you’ve come.

Different Ways to Organize Your Assignments

There are many ways to organize your assignment, each with its pros and cons. Here are a few tried and true methods:

  • Sticky notes

Whether they are online or in real life , sticky notes are one of the most popular ways to bring attention to an important reminder. Sticky notes are a quick, easy, and effective tool to highlight time-sensitive reminders. However, they work best when used temporarily and sparingly and, therefore, are likely better used for the occasional can’t-miss deadline rather than for comprehensive assignment organization.

  • Phone calendar reminders  

The use of cell phone calendar reminders is also a useful approach to alert you to an upcoming deadline. An advantage to this method is that reminders on your mobile device have a good chance of grabbing your attention no matter what activity you’re involved with.

On the downside, depending on how many assignments you’re juggling, too many notifications might be overwhelming and there won’t be as much space to log the details of the assignment (e.g., related textbook pages, length requirements) as you would have in a dedicated assignment tracking system.

  • Planners/apps

There are a multitude of physical planners and organization apps for students to help manage assignments and deadlines. Although some vow that physical planners reign superior and even increase focus and concentration , there is almost always a financial cost involved and the added necessity to carry around a sometimes weighty object (as well as remembering to bring it along with you).

Mobile organization apps come with a variety of features, including notifications sent to your phone, but may also require a financial investment (at least for the premium features) and generally will not provide substantial space to add details about your assignments.

  • Spreadsheets

With spreadsheets, what you lose in bells and whistles, you gain in straightforwardness and customizability – and they’re often free! Spreadsheets are easy to access from your laptop or phone and can provide you with enough space to include whatever information you need to complete your assignments.

There are templates available online for several different spreadsheet programs, or you can use our student assignment tracker for Google Sheets . We’ll show you how to use it in the next section.

2. The first tab in the spreadsheet will display several premade assignment trackers for individual subjects with the name of the subject in the header (e.g., Subject 1, Subject 2). In each header, fill in the title of the subjects you would like to track assignments for. Copy and paste additional assignment tracker boxes for any other subjects you’d like to track, and color code the labels.

3. Under each subject header, there are columns labeled for each assignment (e.g., Assignment A, Assignment B). Fill in the title of each of your assignments in one of these columns, and add additional columns if need be. Directly under the assignment title is a cell for you to fill in the due date for the assignment. Below the due date, fill in each task that needs to be accomplished to complete the assignment. In the final row of the tracker, you should select whether the status of your assignment is Not Started , In Progress , or Complete . Please see the example of a template that has been filled in (which is also available for viewing in the Example tab of the spreadsheet):

4. Finally, for an overview of all the assignments you have for each subject throughout the semester, fill out the assignment tracker in the Study Schedule tab. In this tracker, list the title of the assignment for each subject under the Assignment column, and then color code the weeks you plan to be working on each one. Add any additional columns or rows that you need. This overview is particularly helpful for time management throughout the semester.

1. Make a copy of the student assignment tracker .

2. Fill in the title of the subjects you would like to track assignments for in each header row in the Assignments tab.

3. Fill in the title of each of your assignments and all the required tasks underneath each assignment. 

4. List the title of the assignment for each subject and color code the week that the assignment is due in the Study Schedule .

Free Assignment Tracking Template for Google Sheets

Are you looking for an assignment tracking template? When your tasks begin to pile up into several imaginary towers, it’s easy for you to be overwhelmed, not knowing where to start. Moreover, you might not even be able to keep track of all of them, resulting in missed assignments and potentially bad marks.

Having an assignment tracker to keep every task means you’ll be able to organize, stay on top, and complete all your assignments on time. All you need to do is open our Assignment Tracking Template , hit the  “Make a copy”  button and start sorting out your to-do list.

What Should a Good Homework Spreadsheet Have?

In general, you’ll want a few fields that will help describe your assigned tasks and some markers for better organization. Here are some essential components to look for:

  • Assignment description: An efficient assignment tracking template will have space so you can jot down assignment notes. This avoids confusion and lets you anticipate the difficulty of your to-dos.
  • Dates:  Having dedicated fields for your due dates lets you plan your schedule better. This way, you know how much time you have to complete a task. Additionally, when paired with your assignment notes, you can sort them according to priority levels.
  • Completion status: Keeping track of task statuses lets you know which tasks have started, are in progress, are accomplished, or need revision. Moreover, it’s also a great way to remember which tasks you need to return to.
  • Subject and type:  You also want to categorize your assignments into their respective subjects. Another way to group them is by assignment type, including papers, lab reports, collaborative work, and similar tasks.

The components above are only a few useful fields in an assignment tracking template. For example, some spreadsheets also include monthly views or trackers for semester-wide assignment lists . Templates such as these will undoubtedly have other categories you’d need to explore.

Basic Assignment Tracking Template

With all the considerations laid out above, we created a simple but effective assignment tracking template you can use for free. While it may only feature a single functional tab, it has nine named columns you can organize according to your tasks.

Column A—Days Remaining

This is self-explanatory, but you can refer to this column to see the number of days you have left to do or submit your assignment. Depending on the days remaining, you can also decide which tasks to prioritize according to their deadlines.

The cells under this column are automatically updated using our pre-loaded formulas , so avoid modifying them. Instead, you can change the values under the last two columns of this template.

Columns B to D—Tags for Status, Subject, and Task Type

Under these columns, you can set the categories of your assignments either by their completion status, class, or assignment type. You can select the values from the drop-down lists that come with the template based on the American curriculum.

Additionally, these statuses are associated with specific colors, making them more visual so that you can view and handle multiple ongoing tasks more efficiently. If the subjects listed differ from what you’re currently taking, you can modify the options.

To modify the subject options, follow the steps below:

  • First, click on a cell’s drop-down list and locate the pen icon at the bottom.

  • Click the pen icon to open the drop-down settings on the left-hand side of your screen.
  • Change the values listed on the options, such as editing Math  to Physics.
  • Once you’ve set your preferred selection, click the “ Done” button.

  • Upon clicking, a pop-out might appear on your screen asking whether to apply the changes to a wider cell range.
  • Simply click “Apply   to all”  to replicate the changes to the other cells.

Another handy feature is the filter option in the “Status”  column. You can use this to view your tasks based on their completion level. For example, you can choose to see only the in-progress tasks. Here’s how you do it.

  • To get started, click on the filter icon next to the “Status”  label.

  • You should see a list of values with checkmarks on their left side once you scroll down.
  • To deselect all of them, click on “ Clear.”

  • Next, begin selecting the tasks you want to see per status, such as To start  and In-progress.
  • Finally, click “OK.”

  • To revert the view, simply follow steps one to five, ensuring to select all the categories again.

Columns E to I—Assignment Details

You can start entering the information you know about the tasks at hand. The columns E to G are divided into three categories: Assignment Title, Description, and Files/Links. If your assignment has attachments and URLs, such as resources, you can keep them in the last column mentioned.

Meanwhile, columns H to I serve as fields where you can input the dates when your task is given and when you need to submit it. Take note that these are installed with data validation rules—you can’t enter values that aren’t valid dates. These values are also used to calculate the Days Remaining column.

Semester Assignment Spreadsheet

If you are looking to plan your entire semester ahead of time with your potential tasks, this is a helpful assignment tracking template. It’s much simpler than the previous spreadsheet discussed and gives you a semester-wide overview of your assignments.

This assignment tracking template has only three fields that you can update. The first field is the (1) Date , which is located under the seven days of the week (with a total of fifteen weeks in the spreadsheet as per the American semester.)

The second is the (2) Tags  field, which allows you to categorize your tasks according to the subject. As with the other template, these tags are color-coded for an easier view. Lastly, you can also populate the (3) Assignment Details , the blank spaces beside the tags.

Why Use Our Assignment Schedule Templates?

You can virtually make a never-ending list of benefits from using a homework spreadsheet, but to name a few, here are some reasons why they’re beneficial for managing your workload.

  • Organization: As repeatedly emphasized, these assignment tracking templates help you categorize your tasks according to subject, type, and completion status, making it easier to organize your workload.
  • Time Management:  You can keep track of your due dates better with the automated counting of the days remaining for a task. You can manage your time better and learn to prioritize tasks according to deadlines.
  • Easy Access:  Our spreadsheets run on Google Sheets , which you can easily access anywhere, as long as you are connected to the internet. On top of that, they’re also ready to be filled out as soon as you make a copy for yourself.

Wrapping Up

What is the intervention? Assignment tracking is an easy to use system that assists students to keep track of their assignments. Students track assignments, due dates and when they are completed.

Who is it for? Students of all ages.

Purpose: This system teaches student’s time and material management skills. This system allows students to track their assignments and also gives them the opportunity to turn in the work in time enough to earn credit.

Materials: Missing Assignment Tracking Reference Guide Missing Assignment Tracking Student Form

  • Identify the students who have less than 90% of their work turned in and what assignments they are missing.
  • Create a brief introduction to present this system and work with the student to implement the intervention using the steps described in the Missing Assignment Tracking Reference Sheet.

Within the Missing Assignment Report, teachers can:

  • Drill down to see all the assignments missing for a student
  • Send a pre-filled email to the student with the student's missing assignments listed 
  • Copy co-teachers, administrators, case managers, or parents on the email 
  • Export the Missing Assignment Report as a Google Doc, Google Sheet, CSV file, or PDF

What does the Missing Assignment Report show?

The Missing Assignment Report shows all of the students who have 1 or more missing assignments within a date range.

What counts as a missing assignment?

An assignment is considered missing for a student in Schoolytics when:

  • The due date has passed  AND
  • The assignment has not been submitted by the student OR the assignment was returned   without a grade OR a grade of 0 to the student

In Schoolytics, missing assignments are based on due dates in Google Classroom. If an assignment does not have a due date, it will not be included in the Missing Assignments report.

One thing that we have been focusing on with our middle school boy is a little more independence in his school work. One big help for him has been a new assignment sheet for him (or me) to record the assignments for each subject and day of the week.

Translated, that means he needs a hands-on look at what he is expected to accomplish that week and a handy way to check off his assignments as he progresses without mom constantly hovering over him to make sure everything is done. In short, taking responsibility for his schoolwork and owning up when it isn’t done. (cough) But I’m sure that is only my child, right?

While I realize that a piece of paper doesn’t actually GET the schoolwork done, this has been a good help because he can see page numbers down to how many chapters of a book he is expected to read. At the end of each day (or week depending on his focus), we review what was accomplished and make adjustments as needed for the following days.

And if you are looking for some colorful (and erasable pens) – grab a pack of these (aff link). They are my FAVORITE and well loved in our house!

Each sheet has room to track 11 subjects for five days as well as a space for recording personal goals for the week. Along the top of each sheet there is space to record the week’s date as well.

There are also two clip art styles to choose from – one using rainbow washi tape or a fun rainbow sneaker design. Download one or both, editable or non-editable – your choice!

These print off four to a page if you choose to print double sided (two half-sized on each side). For those of you that would like to save a little time, there is also an editable version for the subject area. When the file is opened, simply type the subject area names in the blue squares and then print.

Fill them out with your new favorite pens (aff link) – and you are ready to go!
