What’s a thesis defense presentation?

As you approach the end of grad or postgrad studies, you’ll probably be required to deliver a thesis defense presentation. This takes place during the final semester and involves speaking about your thesis or dissertation in front of a committee of professors. 

The word “defend” might sound intimidating, but it simply means answering questions about your work. Examiners want to see how knowledgeable you are about your field and if you can back up your arguments with solid and original research. Some departments invite students to a pre-defense, which is like a dress rehearsal for the main event. 

If you’re defending your doctoral thesis or dissertation, the event will be more formal than at Master’s level. In some universities, this is called a PhD viva, which comes from the Latin viva voce, meaning “by live voice”. Basically, it’s time to speak about the 80 thousand words you’ve written! As well as your supervisor, the panel will usually include visiting academics from other institutions. If it’s an “open defense” it will be open to other students and members of the public.

The format varies between different universities, but a thesis defense usually starts with the candidate delivering a short presentation accompanied by slides. This is followed by a question and answer session with the panel.

How should I structure a thesis presentation?

When you create a thesis defense presentation, the first thing to remember is that it should be short and concise. There’s no need to rewrite your thesis on the slides. Members of the committee will already be familiar with your work, having read the document prior to the event. 

A thesis defense is a conversational, person-to-person event. Examiners don’t want to read large blocks of text on the screen. They want to hear you talking about your research with passion and insight.

With this in mind, your presentation should serve as a starting point or prompt for discussion. Think of your slides as cue cards: use short titles and keywords to remind you of what you want to say.

How do I make a good final year project presentation?

If you’re an undergrad, you might be required to deliver a final year project presentation or dissertation presentation. Most PhD vivas and PhD defences start with a short presentation by the candidate. The structure of these presentations is very important! There are several factors and approaches to consider when developing your viva presentation structure.

Factors to consider when developing a viva presentation structure

Structuring your viva presentation traditionally, structuring your viva presentation around key findings, structuring your viva presentation around key arguments, structuring your viva presentation around case studies, final thoughts on viva presentation structures.

A PhD viva or PhD defence is often one of the last steps that PhD students have to pass before receiving a doctorate. The viva or defence usually starts with a short presentation of the PhD candidate on the PhD thesis.

Presenting a whole PhD in a short amount of time is very challenging. After all, a PhD is often the result of several years of work!

It is simply impossible to include everything in a viva presentation.

Therefore, tough choices have to be made in terms of what to include, what to highlight, and what to exclude.

The structure of a viva presentation plays a crucial role in bringing across the key messages of your PhD.

Therefore, there are several factors to consider when developing a viva presentation structure:

  • Available presentation time : Viva presentations usually last between 10 and 20 minutes, but every university has different regulations. Developing a structure for a viva presentation that lasts 10 minutes is different from developing one for a presentation that lasts 20 minutes or more. Thus, find out how much time you are allowed to present!
  • The key contribution of your thesis: The structure of a viva presentation should reflect the content and key messages of the PhD thesis. For instance, if you have written a very theoretical PhD thesis, it makes no sense to structure your whole presentation around your data collection and analysis. Make sure that the viva presentation structure is in line with your main messages.
  • University standards: It is recommended to discuss your ideas and plans for your viva presentation structure with others, as each university may have may be different (and even unspoken) rules and standards. Ask your supervisors about their preferred viva presentation structure. And talk to your peers who defend their theses before you.
  • Clear storyline : Every presentation should have a logical structure which allows the audience to follow a crystal-clear storyline. This is also true for viva presentations. Thus, clarify your storyline and develop a presentation structure that supports it.

A very traditional viva presentation structure simply follows the structure of the PhD thesis.

This means that the viva presentation covers all parts of the thesis, including an introduction, the literature review, the methodology, results, conclusions, etcetera.

The advantage of this rather traditional format is that it provides information on each thesis chapter. Furthermore, it is relatively easy to prepare.

The disadvantage of this traditional format is that it is very challenging to fit all the information in a – let’s say – 10-minute presentation.

Furthermore, it can result in a presentation that is quite boring for the examiners, who have read the thesis in preparation for the viva.

One interesting way is to structure a viva presentation around the key findings of the PhD research.

For instance, you can select your three main findings which you each connect to the existing literature, your unique research approach and your (new) empirical insights.

A viva presentation structure around key findings emphasises the unique contribution of a PhD thesis, particularly in empirical terms.

A challenge of this structure, however, is to narrow down the presentation to a handful of key findings.

Furthermore, it might be tricky to find enough time during the presentation to discuss your theoretical framework and embed your discussion in the existing literature when addressing complex issues.

A viva presentation structured around key arguments is very similar to one that is structured around key findings. However, while key findings place more emphasis on the empirical data, key arguments operate at a higher level:

Arguments are sets of reasons supporting an idea, which – in academia – often integrate theoretical and empirical insights.

So, for example, your key argument 1 is your stance on an issue, combining your theoretical and empirical understanding of it. You use the existing theory to understand your empirical data, and your empirical data analysis to develop your theoretical understanding.

A viva presentation structure around key arguments is probably the most difficult viva presentation structure to choose.

However, if it is well done, it is probably the most academically strong and advanced way of defending your PhD.

Another common way to structure a viva presentation is around case studies or study contexts.

This structure is only applicable when the PhD thesis includes a comparative (case study) analysis, which is quite common in the social sciences and humanities.

A presentation can, for instance, first discuss the theoretical framework and research approach, then present Case 1, and then Case 2 or more if applicable.

A viva presentation structure around case studies can be easy to follow for the audience, and shed light on the similarities and differences of cases.

However, as always, you need to reflect on whether the structure supports your key message. If your key message does not centre around similarities and/or differences in cases, this is not the structure for you!

Every PhD thesis is unique, and therefore also every viva presentation structure should be unique.

The key to a good viva presentation is to choose a structure which reflects the key points of your PhD thesis that you want to convey to the examiners.

Always think about what fits best to your thesis, asking yourself the following questions:

  • What is the main message of my PhD that I want to share during my viva?
  • How do I develop a crystal clear storyline to bring this main message across?
  • How can I structure my viva presentation to support and facilitate this storyline?

You have to create a Gantt chart to represent the activities that are planned for completing this research work within the given time frame. The time frame can change depending on the Univesity’s stipulated guidelines for full-time and part-time Ph.D. programs.

The chart is divided into five different stages, which are:

  • Completion of the Course Work: You need to complete the coursework papers as per University Guidelines. This stage is expected to take 12 months.
  • Literature review: In this stage, we will review and analyze the existing literature to identify gaps and limitations in the research. This stage is expected to take 06 months.
  • Data collection: In this stage, we will collect the required data by conducting experiments and surveys. This stage is expected to take 06 months.
  • Data analysis: In this stage, we will analyze the collected data to draw meaningful insights and conclusions. This stage is expected to take 3 months.
  • Model development: In this stage, we will develop the proposed model and implement it. This stage is expected to take 12 months.
  • Results and Analysis: In this stage, we will gather the results from various dimensions of the proposed model and analyze them. This stage is expected to take 03 months.
  • Writing and submission: In this stage, we will write and submit the final research report and the thesis. This stage is expected to take 06 months.

You have to allocate appropriate time for each stage to complete the work on schedule. You have to keep track of the progress regularly and make necessary adjustments to the plan to ensure the timely completion of the research work.

Former Auburn guard Honesty Scott-Grayson didn’t hear her name called during Monday night’s star-studded WNBA Draft despite being included in several mock drafts.

It left some feeling as though Scott-Grayson was snubbed.

However, while she wasn’t one of just 36 women’s basketball players to be drafted by one of the WNBA’s 12 franchises, Scott-Grayson will still have an opportunity to make a WNBA roster after accepting a training camp invite from the Washington Mystics.

With an invitation to training camp, Scott-Grayson will have an opportunity to showcase her skills in hopes of securing one of 12 roster spots with the Mystics, who used their 2024 draft picks to take UConn forward Aaliyah Edwards, Gonzaga guard Kaylynn Truong and Belgian forward Nastja Claessens.

Training camps across the WNBA will get underway April 28 and final rosters will need to be solidified by May 13 — the day before the regular season begins.

Scott-Grayson’s hopeful transition to the WNBA comes on the heels of an all-SEC-worthy campaign at Auburn.

As Auburn’s leading scorer during the 2023-24 season, Scott-Grayson averaged 17.3 points per game, making her the SEC’s fourth-leading scorer and earning her a spot on the all-SEC team as a first-teamer. Scott-Grayson also averaged 4.2 rebounds and 2.3 assists per game in her final season on The Plains.

Should Scott-Grayson make the Mystics’ roster after training camp, it’ll have been a long time coming.

Rated as a 5-star point guard and a McDonald’s All-American in 2018, Scott-Grayson initially took her talents to Baylor, where current LSU head coach Kim Mulkey was still coaching at the time.

Ultimately, things didn’t work out in Waco, Texas, so Scott-Grayson decided to transfer and ended up landing at Auburn, where Johnnie Harris, who had recruited Scott-Grayson since she was just an eighth grader, was taking over the Tigers’ program.

And Scott-Grayson was all Auburn, all the way for the rest of her college career.

All throughout the 2023-24 season, Harris wasn’t shy about the reality of it — Scott-Grayson could’ve made the decision to turn pro the season prior.

But Scott-Grayson had other plans.

“She actually came into my office before I could get to her,” Harris said. “(She) said, ‘Coach, I want to run it back.’ She said, ‘I really believe we can be special, and I want to help this team get to the NCAA Tournament.’”

And during this past season, Scott-Grayson did just that as she played a huge role in helping lead the Tigers to their first NCAA Tournament appearance since 2019.

“She said she wanted to make sure this team got back to the NCAA Tournament. She knew that that was a goal of mine, that was a vision and she wanted to help to do that,” Harris added.

While Auburn made its way to the NCAA Tournament, the Tigers’ run was brief as they were bounced by Arizona in the play-in round on March 21.

But with the appearance, paired with her three seasons on The Plains, Scott-Grayson made her mark on the Tigers’ program.

And from this past season on, as Harris continues to rite the ship on The Plains, it’ll be hard to talk about the rise of Auburn women’s basketball without talking about Scott-Grayson.

Announcing the NeurIPS 2024 Call for Tutorials

We welcome proposals for in-person tutorials on either core machine learning topics or topics of emerging importance for machine learning, broadly construed. We will consider any topic, so long as the proposal makes a strong argument that the tutorial is important for the NeurIPS community. Tutorials should be of interest to a substantial portion of the community and should represent a sufficiently mature area of research or practice. Tutorials are expected to be accessible to PhD candidates working in other areas of the NeurIPS community, i.e. some part of the tutorial may need to be spent on covering necessary background material.

A NeurIPS tutorial should not focus on the results or tools of the presenters or their organizations, and should be more reflective of the research within the wider community in that field. A tutorial should provide a balanced overview of an area of research. It should also provide a balance between known results and open problems.

We discourage tutorial topics that overlap heavily with tutorials presented at  NeurIPS ,  ICML  or highly related conferences in the past two years. We also aim to select tutorial presenters who have not presented a tutorial at NeurIPS or ICML in the past five years.

This year  we will require a minimum of two presenters and an optional panel discussion. We also encourage submitters to think about how their tutorial could be useful to the community after the meeting, for example providing links to code, slides and exercises or audio-only presentations. We will send out audio recordings to tutorial presenters after the conference and presenters will be free to modify the recordings or send out additional information for conversion into a podcast format (depending on topic).

We will also set up informal practice groups between presenters before the main conference.

Requirements:

Each accepted tutorial will be 2h30m (150 minutes) long. 

Tutorials will take place entirely in-person on a single day and avoid overlap with the rest of the program. All participants are required to participate live (for Q&A and the panel).

Each tutorial  may  include a discussion panel to broaden the discussion on the topic. The panel should include additional researchers from the field, and a moderator.  If a panel is planned, it should be taking place in the last 30 minutes of the tutorial. 

Summary of Requirements:

Main Tutorial:

  • Min 2 speakers
  • Max 3 speakers
  • Should have at least 2 hours for presentation (including 10 minutes for technical Q&A and clarifying questions)

Optional  Panel/Debate:

  • 20-30 minutes at the end of the tutorial.
  • Max 6 participants (including the moderator) for the panel.
  • The panel should represent diverse perspectives. While the exact structure of the panel is up to you, we encourage a (civil/professional) debate format representing different perspectives in the community.

Requirements for Proposal Document:

Tutorial proposals should be no more than five pages in 12-point font submitted in PDF format. Each proposal should be clearly structured to provide the following information:

  • Abstract (up to 250 words)
  • Description and outline: What material will the tutorial cover and in what depth? Please provide a detailed outline.
  • Goals: What are the objectives of the tutorial? What is the benefit to attendees? What are the expected learning outcomes (in terms of knowledge, skills and understanding)? 
  • Why is this tutorial important to include at this NeurIPS in particular?  How will you engage a broad audience? How will the panelists (if applicable) complement your presentation?
  • Previous tutorials: What are the related or similar tutorials presented in the past 3 years at NeurIPS or at another venue? Please list the dates and venues, and describe the similarities and differences between the previous tutorials and proposed tutorial. If available, please include URLs for slides and video recordings.
  • If applicable, hands-on coding demonstrations and resource websites associated with the proposal are highly valued. For example, can attendees refer to notebooks that would help them reproduce some of the demonstrations presented in your tutorial?
  • Presenters (min 2, max 3): Who are the presenters? Please provide names, affiliations, email addresses, and short bios for each presenter. Bios should cover the presenters’ expertise related to the topic of the tutorial. Please describe how the time will be divided between the presenters. All presenters listed in the proposal are expected to attend.
  • Optional Panel: Who are the additional panelists? Please provide names, affiliations, email addresses and short bios (in relation to the tutorial’s topic). Please highlight who will moderate the discussion.
  • Post-meeting materials: How will this tutorial be useful to attendees after the meeting, e.g. will you provide links to code, slides, exercises? Will this tutorial be suitable for presenting or edited into an audio-only format?
  • Diversity: please specify how the speakers and optional panelists represent the diversity in our community, considering aspects such as (non-exhaustive) gender, race, geographical location, institution, seniority, background, specialty. For debate format panels, we ask organizers to try their best to maintain balanced representation along these aspects for differing perspectives. 
  • Links to video recordings of the presenters’ previous talks (optional but  strongly recommended )
  • A list of the most important references that will be covered.

Proposal strengths:

  • Importance, relevance and timeliness of the topic to the NeurIPS community
  • A diverse set of speakers. We encourage speakers from different institutions with a variety of perspectives to reduce knowledge bias.
  • Speakers should be experienced in the topic proposed, as demonstrated by publications and talks.
  • Quality of the presentation; clear delivery of the content. 

Please see the retrospective blog on the tutorial submissions from  last year , and make an effort to embrace the positive features of accepted tutorials, and avoid the pitfalls outlined there. The best way to maximize the chances of your tutorial submission being accepted is to  carefully follow instructions , and make a  polished and organized submission . Are you missing parts of your submission? Is it over length? Does your proposal bring diverse perspectives? Did you research whether a closely related topic has recently been presented at NeurIPS or ICML? Are you submitting on time? Are your panellists confirmed at the time of submission? A carefully planned and crafted submission signals that care and organization will go into the presentation itself.

  • Can the moderator be one of the speakers? Yes, the moderator can be either in addition to the speakers and panellists, or be one of the speakers. We request that moderators prepare a list of discussion topics and questions if the audience is not very active.
  • Are panellists included in the “tutorial speakers who have not presented a tutorial in the past five years?” No, this point only refers to the tutorial presenters.
  • Can I submit multiple proposals? No, each researcher can submit at most one proposal to be a Speaker. 
  • Can researchers be present at multiple panels? No, each researcher can be a part of maximum one panel.
  • Can a researcher be a Speaker at one tutorial and panellist at another? While proposals will not be disqualified for this, we will encourage researchers to select one opportunity at most.
