DESCRIPTION

The Department of Chemistry and Biochemistry is one of the largest and most complex departments on campus. Our Department combines research on the most consequential and revelatory scientific areas with education aimed at building our future leaders and scientists. The department currently has more than 120 awards from federal, state and private sources for approximately $20 million per annum in extramural funding and $46 million in total annual expenditures. The department also manages three major NIH training grants, and one Department of Education training grant, which fund graduate and postdoctoral students across UCSD departments/disciplines as well as off campus research organizations.

The Research Administrator 3 (RA3) uses skills as a seasoned, experienced research administrator to independently develop and oversee research proposals, awards and transactions related to contract and grant management and maintains contract and grant records in compliance with institutional research sponsor policies. Works on proposals and awards of diverse scope where analysis of data requires thorough understanding of complex regulations. Completes and approves transactions for signature by manager or other authorized institutional official. Works on complex proposals and awards that may involve multiple investigators and / or multiple sub awards. Guides less experienced staff and works closely with OCGA, OPAFS, Disbursements, Payroll, General Accounting, EVCAA/Dean's offices, Technology Transfer and Research Affairs in administering various faculty programs and fund sources.

QUALIFICATIONS

Requires thorough knowledge in OMB circulars such as Universal Guidance, A-21, A110 and principles of cost accounting standards, including allowability, allocability, and reasonableness, state, local, sponsor and institutional regulations, policies, and guidelines.

Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.

Experienced with all types of award mechanisms, including grants, contracts, subcontracts, cooperative agreements.

Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment. Knowledgeable about Federal Acquisition Regulation, Code of Federal Regulations, sponsor-specific policies, intellectual property policy, conflict of interest requirements, publication rights, application of indirect cost rates and other complex concepts in research administration.

Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.

Ability to manage significant volume of transactions. Ability to work in a fast paced environment with overlapping deadlines and short lead times and maintain a high level of attention to detail, and ability to work with a high degree of accuracy.

Ability to perform complex financial analysis and customized reporting.

Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports. Proficiency in utilizing reports and queries through Financiallink, Cognos, and Tableau, and use pivot tables or similar experience using other financial reporting tools.

Job description.

The Media Lab is looking for a dynamic Administrative Assistant to join the team to provide administrative support for the Fluid Interfaces Group at 20 hours/week.  The Fluid Interfaces group is one of 25 or so research groups at the Media Lab.  Led by Prof.  Pattie Maes,  the highly interdisciplinary team explores how digital technologies might support cognitive functions such as attention,  memory,  learning,  decision making,  creativity,  communication and more. The group includes roughly 10 graduate students,  2 postdocs and several part-time undergraduates and visiting students involved in rapid prototyping,  experiments,  workshops,  seminars and conferences.

The Media Lab is currently working on a hybrid work schedule - 60% on campus in Cambridge, 40% remote.

This role is 20 hours per week,  Monday – Friday:  4 hours a day (schedule TBD)

Responsibilities

Financial (50% - 10 hours per week)

  • Manage day-to-day spending for group according to Media Lab Finance and MIT procedures and compliance policy,  including but not limited to:

○ Reconciling expenses,  processing expense reimbursements,  handling complex purchase orders and contracts,  including independent contractor coordination,  monitoring timely payments,  reviewing/approving monthly Financial Review & Control (FRC) reports,  maintaining all records, invoices,  receipts,  and the like according to MIT’s record retention policy,  etc.; ○ Responsible for use of MIT Procurement and Travel credit cards for group according to Media Lab Finance and MIT procedure and compliance policy; ○ Working with financial officer to regularly review budgets and spending.

Administrative (40% - 8 hours per week)

  • Scheduling and coordinating PI and group calendar,  including monitoring deadlines and important events;
  •  Coordinating and facilitating communications (in-person, virtual, telephone, etc.) and meetings with collaborators,  both domestic and international;
  • Coordinating travel logistics: booking travel,  arranging reservations,  and creating detailed travel itineraries,  including coordinating and processing reimbursement for travel expenses for professor and students;
  • Processing purchasing reimbursements for students;
  • Serving as an information resource for group members;
  • Proofreading and editing documents,  such as letters of recommendation;
  • Maintaining,  updating,  and ensuring group’s web pages are up to date;
  • Maintaining records and contacts related to UROP (Undergraduate Research Opportunities Program),  and other affiliated staff;
  • Supporting onboarding activities for new group members such as keys,  mailing lists,  etc.;
  • Handling general office duties as needed and assigned.

Events (10% - 2 hours per week)

  • Coordinating events: meetings,  workshops,  and conferences,  to include budget preparation and logistics such as securing space,  initiating and coordinating online conferencing,  catering set up and breakdown,  completing event work orders and registration forms,  securing suppliers, creating purchase orders, paying invoices,  ordering name badges,  tracking registration, coordinating travel and accommodation requests,  scheduling,  event materials ordering and shipping,  and supporting other event activities as needed;

o Approximately five seminars annually (up to 40 people); weekly tea for group; o Conferences: One large annual event usually held at the Media Lab.  Attendance ranges from 50-150 people.  Responsibilities include securing caterer,  ordering supplies,  arranging filming and photography along with standard meeting tasks as noted above.  Students in the group are hands on and provide assistance.

  • Ability to work collaboratively and effectively with a creative and diverse group of people;

A call for application is now open for the attribution of 2 (two) Research Initiation Fellowship, with reference 56/2024/BII/AgendasPRR, for development of scientific and technological research activities, under the scheme «Agendas Mobilizadoras para a Inovação Empresarial», namely NGS – New generation Storage project, at Aveiro Institute of Materials,, at the University of Aveiro, Portugal, with the following conditions:

1. Scientific Area: Physics, Chemical Engineering, Physical Engineering, Chemistry, Nanoscience and Nanotechnology and similar areas.

2. Funding entity: funded by the PRR - Recovery and Resilience Plan and by the NextGenerationEU, through the scheme «Agendas para a Inovação Empresarial».

3. Admission Requirements: candidates must be Students enrolled in a master/integrated master course, in Physics, Chemical Engineering, Physical Engineering, Chemistry, Materials Science and Engineering scientific field.

The proof of enrolment must be made until the contract signing date, and the candidate may attach a declaration of honor to confirm that they meet the admission requirements.

If the qualification has been conferred by a foreign higher education institution it must be recognized by a Portuguese higher education institution, under the terms of the provisions of article 25 of Decree-Law no. 66/2018, of August 16th, which approves the legal regime of recognition of academic degrees and diplomas of Higher Education, attributed by foreign higher education institutions, and of paragraph e) of no. 2 of article 4 of Decree-Law no. 60/2018, of August 3rd, and any formalities established therein must be fulfilled by the date of the hiring act.

5. Work Plan: Collaboration in training activities and support for R&D in the area of batteries.

6. 8. Duration of the grant(s): the research fellowship will last for 3 (three) months, with an expected starting date on the October 1 st , 2024. The fellowship may be renewed up to the maximum limit of approved funding, during the project implementation period, and without exceeding the duration limits defined for the type of fellowship in article 10 of Regulation no. 292/2020, of February 28th, published in Diário da República, no. 61, Series II, of March 26th (Scientific Research Grant Regulation of the University of Aveiro).

9. Monthly allowance: The monthly allowance is €601.12, according to the table of values of monthly allowance set out in Attachment III of the Regulation on Scientific Research Scholarship of University of Aveiro, subject to any updates that may occur if applicable. The payment will be made by bank transfer. The candidate may also be reimbursed for the amount corresponding to the Voluntary Social Security, in case of adherence.

10. Selection method: the selection methods to be used include Curricular Evaluation, with the option Interview in case the Jury considers that do not have the conditions of deciding based on Curricular Evaluation. The sub criteria to be assessed under Curricular Evaluation (with a weight of 0 - 20  points) are:

- Average of the last academic degree obtained (50%);

- R&D experience in the scientific area of the competition (50%).

If the jury considers that do not have the conditions for deciding based on Curricular Evaluation, an interview may be held, where the final score will be 70% for curricular evaluation and 30% for interview.

The jury reserves the right to not admit candidates for interview that do not reach the minimum classification of 10 points (in a scale from 0 to 20 points), as well as not to assign the research fellowship if among candidates there is no one who has a minimum final classification of 10 points.

11.
