Whether it is to inquire about a tax issue, request a refund or provide additional information, it is important to format and write your letter in a clear and concise manner.

Here are some tips and examples of how to format and write a letter to the CRA:

  • Use a professional tone: Your letter should be written in a formal and respectful tone. Avoid using slang or informal language, and address the recipient as “Dear Sir/Madam” or “To Whom It May Concern.”
  • Include your contact information: Make sure to include your full name, address, and phone number at the top of the letter, along with your Social Insurance Number (SIN) or Business Number (BN) if applicable.
  • State the purpose of your letter: Clearly state the reason why you are writing to the CRA. Be specific and concise, and include any relevant dates or reference numbers.
  • Provide supporting documents: If you are writing to the CRA to provide additional information or documentation, make sure to include copies of any relevant documents. It is important to keep the originals for your records.

  • Auditing Level 2 – multiple choice test: As an applicant, the recruiting team will assess how proficient you are on other auditing principles that are complex, practices and techniques, such as accepted audit standards, manual and procedures, and risk evaluation.
  • Competency – Based behavioral questionnaire: Based on the work-experiences that you possess, the recruiting team will assess your potential to give in your very best in typically work scenarios.
  • Competency – based organization questionnaire: Based on the work-related experiences that you possess, the recruiting team will assess your organizational aptitude.
  • Competency – based situational questionnaire: This particular test conducted by the CRA, is to assess the following five capabilities in you: service excellence, effective interactive communication, adaptability, and cooperation and team work.
  • Problem solving – multiple choice test: Based on the answers you have provided to some work-related problems and scenarios, the recruiting team will assess your ability to solve problems.
  • Situational judgment: With this particular test, the recruiting team will evaluate your ability to make judgment in some scenarios relating to your work as a manager.
  • Wonderlic personnel test (form B): The recruiting team utilizes this test to assess your ability to understand instructions, learn, and then get problems solved.
  • Writing skills test: This particular test is very important and compulsory; every CRA applicant must take the test, to help the recruiting team assess the grammar, spelling, vocabulary, capitalization, punctuation, and sentence sequencing skills of such applicant.

3. The Interview Process

  • Give a tangible reason why you should be a CRA personnel?

In Canada, you should open the cover letter with your full name, address, email and subject of the cover letter . The subject of the cover letter is generally the title of the job position to which you are applying. You must also formally address the prospective employer – do this through stating their surname if you know their identity (e.g. Dear Mr. Johnson) or use a general greeting (e.g. Dear Sir or Madam).

Responding to Requests from CRA for More Information

Occasionally, the Canada Revenue Agency (CRA) contacts taxpayers to clarify details on their tax returns. The process for selecting the taxpayers to contact can be completely random, or your return may be selected for a special reason. Regardless of why the agency reaches out to you, it’s critical to respond as soon as possible with the requested information. Pay attention to the date they have requested the information by, and if you are unable to fulfill the request by that date, contact them explaining your situation and you can request an extension.

CRA has a number of Review Programs and it’s also important that you respond to the correct CRA department that is administering that particular program.

Responding to the CRA

The CRA may contact you to ask for more information regarding your income tax return. When you respond, you should submit all of the requested documents, and you should include a cover sheet noting your  reference number .

Your reference number appears in the upper right-hand corner of the notice you received from the CRA. The address of the CRA office that is handling the request and the time frame in which you need to return the info also appears on the notice. It’s important that you submit your documents to the right office as quite often the office differs from your “Tax Centre” where you submit your tax returns.

  How to Submit Your Documents

  • If you are a  CRA My Account  holder, you can scan the required receipts or other documents and submit them  online  via your CRA My Account.
  • You may also submit your documentation by standard  mail .
  • You can submit the documents by fax if you have been provided with a fax number in the request letter.

Again, it’s very important that all correspondence is made with the tax centre which has sent the request for information. Respond by mail to that particular address, and if sending documents by fax, be sure to send to the fax number provided and include your reference number.

Records to Keep on File

Unfortunately, it’s impossible to predict what type of information the CRA may request from you. To prepare for a variety of situations, you need to  keep records to support anything you report on your return .

For example, if you claim a tax credit for  medical expenses  or  charitable donations , make sure you  keep all of your receipts  to back up your claims.

Similarly, you should also keep  tax information slips you receive from your employer (T4s), the administrator of your pension plan (T4As), financial institutions (T3s, T5s, T4RIFs, T4RSPs, etc), or almost anyone else who issues you income. Since you have these slips, you don’t need to keep items (such as pay cheque stubs) if you are confident the slips have been prepared correctly . If you have any expenses or records that are unclear or ambiguous, ensure that you keep detailed notes. In case of a review or audit, these notes could be essential at explaining the expense, why it was incurred, and how it qualifies for a deduction or a credit.

Ignoring the Request for More Information

If the CRA contacts you and you fail to respond, the agency may adjust your income tax return and reassess you for taxes owed, as well as penalties and interest. In addition, the agency may mark your return for further review and subject you to an audit. In fact, one of the easiest ways to trigger an audit is failing to comply with the CRA’s request for more information.

Other Audit Triggers

In addition to non-compliance with requests for more information, there are a number of other situations in which an audit may be triggered. For example, if you are self-employed, you are more likely to be audited than people who have a separate employer. In particular, if you claim high home office deductions or write off 100 percent of your vehicle for business purposes, you are increasingly more likely to be audited.

When reviewing tax returns, the CRA also scans for discrepancies. It looks for massive changes in your income from year to year, but also looks for similarities or marked differences between your return and returns from other people who live in the same area.

Instructions for completing form 15 – articles of revival.

Submitting a cover letter along with your completed form is now mandatory. Learn more on what information needs to be included in the cover letter .

You are providing information required by the Canada Business Corporations Act (CBCA). Note that both the CBCA and the Privacy Act  may allow this information to be disclosed to the public. It will be stored in personal information bank number IC/PPU-049.

1 – Corporate name

Indicate the corporate name. The corporate name must be identical to the name of the dissolved corporation.

2 – Corporation number

Indicate the corporation number.

The corporation number must be identical to that of the dissolved corporation. The number is located on the certificate of incorporation, amalgamation or continuance. You can also find it using the Corporations Canada online database .

3 – Interest of the applicant

Choose the applicant's interest in the dissolved corporation.

According to the CBCA, the applicant must be an interested person. Examples of "interested applicants" are:

  • a shareholder (owner of the shares of the corporation, essentially the business owner or owners)
  • an officer (President, Vice-President, CEO, etc.)
  • an employee
  • a creditor (for example, Canada Revenue Agency, Revenu Québec or a person who is owed money by the dissolved corporation as a result of a debt)
  • a trustee in bankruptcy
  • a liquidator
  • a person who has a contract with the dissolved corporation (Please note that a lawyer, accountant or other service provider mandated to revive the corporation does not fall under this category.)
  • other persons who are not within the categories above, but who have a direct connection to the corporation and have a need for the corporation to be revived (for example, executors of an individual's estate who was a shareholder or director).

A representative of the dissolved corporation, such as a lawyer or accountant, or a representative of a shareholder, director, officer, etc., cannot sign the Articles of Revival. The person signing the Articles of Revival must have a direct relationship with the dissolved corporation.

4 – Declaration of the applicant

This form must be signed by the interested applicant.

If the applicant is an individual, indicate the individual’s name, address and telephone number.

If the applicant is.a company or other incorporated body, indicate the name of the company or other incorporated body , its registered office address and its telephone number. The form must be signed by an individual authorized by that company or other incorporated body.

An electronic signature or a manual signature, where a person physically signs, is required. A typed signature will not be accepted.

A representative of the applicant, such as a lawyer or accountant, cannot sign the Articles of Revival. The person signing the articles must be the interested party and must have a direct relationship with the dissolved corporation.

Cover letter

Corporations Canada requires information about the dissolved corporation and why it needs to be revived in order to decide whether it will approve the application and issue a Certificate of Revival. The completed form must be accompanied by a cover letter and supporting documents containing the following information, or the application will be returned as incomplete:

  • If the corporation key is missing , the applicant must explain why they do not have it. Corporations Canada may later ask the applicant to provide another proof of authorization.
  • Please note that your identity needs to be verified to access this service.
  • the reason why the applicant wants to revive the dissolved corporation instead of creating a new corporation, and supporting documents for the situation (see examples below).
  • Mailed applications can be paid by a cheque payable to the Receiver General for Canada.

Nuans name search report

The completed form must be accompanied by a Nuans name search report dated no more than 90 days prior to the day that Corporations Canada receives the form. A Nuans name search report is not required if the corporation has been dissolved for less than 2 years or had a numbered name (for example, 123456 Canada Inc.).

Obligations on revival

If the corporation is revived, the following information must be filed with Corporations Canada:

  • any outstanding annual returns for the 2 most current years
  • any change to the registered office information
  • any change to director information, such as name or address.

You’ve received a letter from the CRA requesting more information about your income tax return. Now what?

So tax season is over, right? Once you’ve filed your taxes you can clean out your tax folders and start fresh? Not so fast. The Canada Revenue Agency (CRA) usually processes tax returns within two to six weeks, however, all returns can be reviewed at a later date.

If you receive a letter from the CRA after filing your taxes, this does not mean that you are being audited. It may simply be a request for more information, which means that you have been selected for review. Why me, you ask?

Reasons for review

The CRA may select your income tax for review for a number of reasons. Sometimes, it’s as simple as a random selection. Other times it may be due to a conflict of information, between third-party sources, such as slips issued by your employer financial institution, or even your history of credits claimed and deducted. Another reason can be that the CRA noticed unusual claims or significant changes from your filing history. Note that how you file, whether online or in office, does not make a difference as to why you have been selected.

Types of Review

There are a couple of different types of review:

  • Pre-assessment Review Program

The CRA conducts a review before processing your return and issuing a Notice of Assessment. The peak period for this program is between February and July.

  • Processing Review Program

The CRA reviews your return after issuing a Notice of Assessment usually between August and December.

  • Matching Program

This can take place before or after the Notice of Assessment is issued, where information from your tax return is compared to a third-party source (your employer or a financial institution).

  • Special Assessments Program

This also takes place after the Notice of Assessment is issued. It is a more in-depth review, resulting from trends in non-compliance that have come to the attention of the CRA.

I’m being reviewed, now what?

In the event that you’re asked to provide additional information on your tax return, cooperate. If you ignore their request, the CRA can make adjustments as they see fit based on the information available to them, which might leave you with unwanted fees. In order to avoid the unnecessary hassle, respond to their request within the specified time frame (usually 30 days) of receiving your notice. To respond, you must include your reference number (located at the top right corner of their letter to you) and provide all of the information requested.

As concerning as it may seem to receive a letter from the CRA requesting additional information, it’s quite common. Don’t stress! As long as you keep your legitimate receipts, slips and letters organized, you won’t need to scramble. This process is as fast and simple as you make it.
