Zoom unveils its latest platform evolution with the launch of Zoom One

Zoom is launching a slew of new offerings for customers, including a unified collaboration environment called zoom one, as well as updated translation and transcription capabilities..

Zoom

Zoom has unveiled Zoom One , a new offering that brings together chat, phone, meetings, and whiteboarding capabilities in a single, purpose-built environment.

Users of Zoom One will be able to access Zoom’s collaboration and communication tools and perform actions such as starting phone or video calls from a chat message or collaborating on a whiteboard from a Zoom desktop or Zoom room .

In a press release announcing the launch, company President Greg Tomb said that as Zoom evolved from a meeting app to a comprehensive communications platform, it was clear that introducing new packaging like Zoom One was the next step in the company’s evolution.

“By bringing together chat, phone, meetings, whiteboard, and more in a single offering, we are able to offer our customers solutions that are simple to manage, so they can focus on business issues that matter most,” he said.

Zoom One has six tiered plans available to customers, including Basic, Pro, Business and Enterprise versions.

  •      Zoom One Basic provides free 40-minute Zoom Meetings for up to 100 attendees, persistent Zoom Chat for team messaging, limited Zoom Whiteboard for synchronous and asynchronous work, and real-time transcription.
  •      Zoom One Pro provides everything Zoom One Basic offers without meeting time limits, plus cloud-based recording.
  •      Zoom One Business provides everything Zoom One Pro offers, plus Zoom meetings for up to 300 attendees and unlimited Zoom Whiteboards.
  •      Zoom One Business Plus provides everything Zoom One Business offers, plus Zoom Phone Pro with unlimited regional calling and Zoom’s all-new translation feature.
  •      Zoom One Enterprise and Zoom One Enterprise Plus are similar to Zoom One Business, with larger meeting capacity and additional features, like Zoom Webinars, to help modern businesses scale. Unlimited Regional Calling is an optional add-on feature for Zoom One Enterprise and Enterprise Plus.

Zoom One Basic, Pro, Business and Business Plus plans are available for purchase today, priced at $149 per year/user; $199 per year/user; and $250 per year/user respectively.

Translated and multilanguage captions

Users of Zoom’s new Zoom One Business Plus and Zoom One Enterprise Plus packages will have access to bidirectional translated captions. The captions will be able to translate between Chinese (simplified), Dutch, English, French, German, Italian, Japanese, Korean, Russian, Spanish, and Ukrainian upon launch.

Zoom has also extended its automated captioning—the ability to caption in real-time what a speaker is saying in the same language as the one spoken—to include 10 additional languages. Automated captions previously were supported in English, but now can be displayed in the same 10 languages available for live translation.

Multilanguage automated captions are available in Business Plus, Enterprise, and Enterprise Plus packages with additional support for other plans coming soon.

Zoom Apps software development kit

Zoom also announced this week that the company has opened its Zoom Apps developer programme to all developers via Zoom Apps SDK (software development kit).

Zoom Apps JavaScript software development kit (SDK) is designed to provide developers with the resources and supports the necessary infrastructure to build Zoom Apps within the Zoom platform. By using Zoom Apps SDK, developers can reach Zoom customers via Zoom App marketplace, where users can simultaneously discover and add new apps, according to the company.

Zoom says that to date, over 100 apps have been published by developer partners in its app marketplace.

“With the launch of the Zoom Apps SDK, the Zoom Developer Platform continues to expand and offer developers new ways to incorporate video communications and collaboration into their creations, transforming business workflows forever,” said Zoom CTO Brendan Ittelson, in a statement .

The popular video conferencing app is now an integrated collaboration platform

Daniel Brame

Bottom Line

  • Easy to use
  • End-to-end encryption
  • Competitively priced
  • Many integrations
  • Zoom AI Companion offers near real-time meeting transcription and translation
  • Uneven functionality with third-party software integrations
  • Some settings are hard to find in the web interface

Owing to its rise to prominence during the COVID-19 pandemic, Zoom has become both a noun and a verb in common language. Despite competition from many popular and effective video conferencing applications, Zoom has remained relevant in the post-pandemic era by pivoting from a simple video meeting app to a more comprehensive business communications tool. With those efforts comes a new brand: Zoom One.

It makes a lot of sense for Zoom to take this approach, one that expands the feature set to add an AI-powered assistant and new collaboration tools that you use outside of meetings. After all, its main competitors are part of large business software ecosystems that often include team messaging and voice over IP  (VoIP) phone features. Moreover, we're impressed enough with the results that Zoom One retains the Editors' Choice nod we gave it when it was merely Zoom Meetings. It's a top-notch video conferencing solution, sharing the award with fellow Editors' Choice winners Cisco Webex and Intermedia AnyMeeting .

Getting Started With Zoom One Meetings

Despite the Zoom One rebrand, Zoom Meetings is still central to the product, it's just no longer an island. Its core features, such as video meetings, chat, and online whiteboards, are now joined by other collaboration capabilities within the same client app. But significantly, rather than reinventing the wheel by implementing all of these functions itself, Zoom provides a wide range of integrations with other software and tools. The upshot is that you don't have to leave your existing software stack behind, and in some cases, you don't even need to click away from Zoom One at all.

The desktop client is Zoom One's centerpiece. The app is available for Windows, macOS, Linux, and it has a Chrome PWA . More importantly, it ties together Contact, Meetings, Phone, Team Chat, and Whiteboards. The desktop client is quite streamlined, and it's obvious that Zoom's primary goal is to keep you in it. It's worth noting that this desktop focus differs from Google Meet 's approach, which only lets you connect to the service from a browser or mobile app. However, if the desktop client isn't your thing, there are Zoom apps available for Android , iOS , and the web.

Zoom Meetings is still the core of Zoom One, and this portion of the product hasn't changed much from the previous iteration. To get started, you must create an account. Your account receives its own Personal Meeting ID (PMI) that you share with others to start impromptu meetings.

However, launching meetings this way is arguably insecure. The alternative, formally scheduling a meeting, generates a unique identifier for each meeting, which keeps interlopers away and is Zoom's recommended practice. You can schedule meetings from the Zoom desktop client, but you can also use plug-ins for either your browser or Microsoft Teams , if you prefer.

How Much Does Zoom One Cost?

As is typically the case with video conferencing products, Zoom offers a number of pricing tiers. If you aren't ready to commit but want to kick the tires, there is a free version of Zoom One that you can try. Free Meetings can last up to 40 minutes with up to 100 attendees. You also get notes, chat, and basic whiteboard functionality. Although we feel confident recommending this free tier for individuals, especially if you're using it for non-work purposes, it's too feature-limited to evaluate the service as a business tool.

We think the same is true for the Pro tier, which costs $149.90 per user per year when billed annually. Although it allows up to nine users and adds some additional features (AI companion and 5GB of cloud storage), it doesn't quite have the capabilities to qualify it for a mission-critical service like business communications.

There are really only two packages we think are worth considering as a small business. The Business package, priced at $199.90 per user per year, gives you 30 hours and up to 300 attendees per meeting. It also includes team chat, mail, and calendar, as well as 5GB of cloud storage.

Business Plus is the plan we tested for this review. It's priced at $250 per year per user and adds automated captions and translations. It also adds unlimited local calling via Zoom Phone, the company's new voice over IP (VoIP) calling service , although a full evaluation of that feature is outside the scope of this review.

Another thing to be aware of is that if you need more than 99 licenses, you have no choice but to go with the Enterprise pricing tier. You'll get some additional, enterprise-centric features for that price point, but you must contact Zoom's sales team to get a custom quote at this level.

Zoom Meetings Features

Zoom Meetings includes the many features typically found in business video conferencing services, including HD video and audio conferencing, screen sharing, whiteboards, closed captioning, meeting recording, and transcription. It also provides some "nice to have" fun features like background blurring and virtual backgrounds, avatars, reactions, and gesture recognition.

If you want to collaborate while in a meeting (one not involving a screen share or whiteboard), you can do so with a platform that provides this functionality. Dropbox , Google Drive , Microsoft OneDrive are all worthy options, assuming you enable the relevant file-sharing integration. Your experience will depend on the solution you pick.

One powerful Zoom Meetings feature is the ability to create breakout rooms, which is particularly useful for remote teams. A meeting host can assign participants to groups (or let them select the group they want), sending them into their own private video chat. When finished, everyone can easily reconvene in the main video call. Zoom One's fellow Editors' Choice pick, Intermedia AnyMeeting, lacks this feature.

Notes is a new feature, one that comes bundled with all Zoom One plans. It functions as you'd expect of a note-taking tool. Participants can take notes throughout a meeting, and share them with others before, during, and after the session. The tool has a handful of basic text formatting options that let you create and share notes from either the desktop client or the web portal.

Another new feature is Zoom AI Companion, a ChatGPT-powered assistant that performs tasks like transcribing and summarizing meetings. It can also translate transcriptions into a variety of languages. We tested a preview release of this tool (when it was known as Zoom IQ) and found it performed these functions in near real time. Zoom AI Companion is included in all Zoom One plans except for the free tier.

Is Zoom Secure?

In past Zoom Meetings reviews, we felt it necessary to point out a few controversies. For example, there was the phenomenon of " Zoom bombing ," where trolls would hijack meetings in progress and cause various kinds of havoc. For a while, the platform lacked end-to-end encryption, which let skilled attackers intercept meeting traffic. There was even debate about the countries through which some Zoom traffic was routed, such as China, which raised further security concerns.

Fortunately, we're satisfied that Zoom has addressed these concerns over the last few years. Zoom bombing is basically a thing of the past. There are now well-defined controls for limiting access to meetings , such as only allowing signed-in users to join, limiting access to sharing, adding passcodes, and locking meetings after they start. Zoom's end-to-end encryption support has dramatically improved, letting customers bring their own encryption keys to the platform.

More recently, there was concern that Zoom intended to use meeting content to train AI models, which was widely regarded as an invasion of privacy. Zoom has since updated its terms of service to clarify that it has no such plans.

All of this is only natural, given Zoom's efforts to build a greater presence in the business communications market, and it gives us confidence that Zoom's security-related growing pains are a thing of the past.

zoom one business plan

Zoom Team Chat and Whiteboards

As mentioned earlier, the major change with the Zoom One rebrand is the addition of new collaboration tools that can be used outside the context of Zoom Meetings. Two examples that have rolled out already are Team Chat and Whiteboards, neither of which requires you to join a traditional video conference to use.

Although you could always chat during Zoom Meetings, Team Chat now extends that capability to any time you're engaging with Zoom, whether you've joined a meeting or not. The important distinction is that Zoom Team Chat sessions persist and are searchable, which you couldn't easily do with in-meeting chat sessions. In a nice touch, you can now move in-meeting chats to Team Chats to continue them after the meeting ends.

In our tests, we found Team Chat to be on par with Google Chat , Microsoft Teams, Slack , and similar team messaging apps . You can create groups, channels, and individual chats. They work well, but the UI in the desktop app is less than intuitive. It also includes features to keep work lighthearted and productive, such as the ability to post emojis and GIFs. Our chief complaint is the limited, built-in integrations between Zoom's chat capabilities and other services, such as Hangouts, Slack, and Teams. You must use a third-party, paid service to do two-way chats with folks who use messaging services other than Zoom.

Standalone Whiteboards is another out-of-meeting feature that, like Team Chat, is similarly well executed. We like that Zoom provides templates for use cases like Pros and Cons, Mind Maps, and Kanban tables. The templates are excellent time savers for people less skilled in the art of the whiteboard.

Will Zoom One Work With My Apps and Services?

There's another move that Zoom made to make Zoom One a more comprehensive business communications platform: provide integrations with third-party software. Although it's disabled by default, calendar and mail integration is built into the desktop client. It supports three well-known options: Google Mail, Microsoft Exchange, and Microsoft 365. The calendar and mail integration is flawless once you turn it on. We never felt the need to leave the platform to check our Gmail or Microsoft 365 accounts. In many ways, the controls mirror the UI style of each service, which avoids creating the knee-jerk reaction of switching back to the native client.

However, the platform's real power comes from the Zoom App Marketplace , which lets you add features and integrations from a catalog of apps provided by Zoom and third-party vendors. Apps are essentially Zoom One plug-ins. If there's a service you use for business, there's a fair chance that an app is available for it. Some of them are free and some require paid accounts to take full advantage of their features. Zoom bundles a set of what it calls "essential apps" with any plan free for one year; after that, whether the apps' paid features are worth the cost will depend on your needs.

Although you'll likely find that some plug-ins are of more value than others, the App Marketplace provides excellent coverage across the business application spectrum. There are many useful free integration, while others are a bit awkward to deal with and take the form of chatbots (like the one for Google Drive). Having to learn a new command set to talk to third-party software may not be intuitive for everyone, so your mileage may vary with some of them.

Zoom also has an active developer community, so you can find documentation, a developer blog, and a community forum if you have the resources to roll your own Zoom app.

zoom one business plan

What Else Does Zoom Offer?

It's worth mentioning that, outside of the base Zoom One offerings, Zoom is building out a portfolio of paid add-ons and companion products, most of which will likely appeal mainly to larger businesses or those in specialized niches. Again, whether they're worth the cost depends on your needs.

Add-on features are available at all paid tiers. Examples include cloud storage, support for large meetings of up to 1,000 participants, and a conference room connector. Some are quite affordable, such as translated captioning for $50 per year, while others are costly. For example, the ability to dial into meetings from global phone numbers will set you back $1,200 per year.

Similarly, Zoom offers a few companion products that build on the platform, each of which is a separate purchase. As of this writing, Zoom Spaces aims to support connected conference rooms; Zoom Events enables webinars and other one-to-many use cases; and Zoom Contact Center focuses on video-centric customer service.

Zoom has also designed specialized Zoom One offerings tailored to specific verticals. These include education, financial services, government, manufacturing, and retail, and each of these typically costs extra because of the extra requirements they fulfill. For example, Zoom One for Healthcare guarantees compliance with the Health Insurance Portability and Accountability Act (HIPAA). We couldn't cover all of these industry-specific plans in this review, so you should contact Zoom sales if you have unusual needs.

If you need to reach out to Zoom about an issue, you can access the company's community forums and 24/7 chatbot for answers. People who subscribe to at least the Pro tier can submit tickets via the web. Live chat support and live phone support are bundled with the Business, Business Plus, and Enterprise plans, though you can add either to the Pro package for a fee .

zoom one business plan

Excellent Conferencing and Collaboration

It's impressive how Zoom has evolved its platform from a high-quality video conferencing system to a more comprehensive business collaboration suite with its collaboration tools, AI assistant, transcription tech, and many integrations. The company says one of its main goals in developing Zoom One is to reduce the "toggle tax," a term it uses to refer to the productivity that's lost when you have to jump between multiple apps to switch tasks. By integrating multiple collaboration functions into a single desktop app, Zoom One achieves this goal (though the level of integration across third-party products is uneven). We wouldn't hesitate to recommend it to any business, which is why it earns our Editors' Choice nod once again this year.

Yet, it's not the only option that growing businesses may want to consider. For example, fellow Editors' Choice pick Cisco Webex has a significantly more mature ecosystem of third-party hardware for smart meeting rooms and other dedicated office solutions. And depending on your needs, Intermedia AnyMeeting may give you more bang for your buck.

The main video chat screen for Zoom Image: Tech.co testing

The Zoom we all know and love used to be called Zoom Meetings – the video conferencing software that facilitates everything from business meetings to socially distanced social gatherings. However, Zoom has now consolidated its Meetings, Team Chat, Whiteboard, and Zoom Phone products into a single package called Zoom Workplace .

All Zoom Workplace paid plans support 1080p video and HD voice , offer TLS encryption for security, and provide a wide range of features, like virtual backgrounds , breakout rooms , and screen sharing , among other features previously included on Zoom Meetings that have now been carried over to Zoom Workplace.

Zoom Workplace comes in five different pricing plans: Basic , Pro , Business , Business Plus, and Enterprise . It’s worth noting that these plans all offer a discount if you pay annually – these are the prices we’ve included below. If you don’t want to commit to paying annually, you can expect to pay slightly more per month.

Zoom Workplace Basic costs nothing for individual users hosting 40-minute meetings with fewer than 100 people and includes Zoom’s Team Chat function. Zoom Workplace Pro is $13.32 per license, per month and includes Zoom Meetings, Team Chat, and 5GB of Cloud Storage. Zoom Workplace Business costs $18.32 per license, per month and will let you host meetings with up to 300 attendees, while the more expensive Zoom Workplace Business Plus plan costs $22.49 per license, per month and includes Zoom’s VoIP phone solution with unlimited regional calls. Both the Business and Business Plus plans come with a ten-user minimum , while Basic and Pro do not.

The Zoom Workplace Enterprise plan has no public pricing, a 500-attendee limit on meetings, and a slightly more expansive VoIP phone plan.

You can also purchase Zoom Phone as a standalone VoIP plan, starting from $10 per user, per month for the US & Canada Metered plan .

Check out our web conferencing comparison tool to compare deals tailored to your business’s needs or find out how Zoom Phone VoIP plans compare to other business phone systems with our VoIP comparison page .

Zoom Workplace Basic – Free

If you’ve used Zoom before, you’re likely familiar with the Basic plan, as it’s the free plan offered to everyone. Our research found it to be the best free conference call service on the market too, even beating massive names like RingCentral and Google Meet to the punch. This is largely due to the fact that Zoom is incredibly easy to use, while still offering robust business-facing offers.

Zoom Workplace Basic offers users the ability to host unlimited meetings for up to 100 participants . All meetings are capped at 40 minutes, however, and only one license is allowed per account. Zoom used to allow meetings with more than three participants to run up to 30 hours, but this functionality was reigned in as of May 2022 .

Zoom Workplace Basic also offers a limited support option in the form of a help center. There’s also a Team Chat function for collaboration and file sharing, as well as three editable whiteboards and a little bit of storage so you can keep your work for next time.

Despite being free, this plan still gives you access to all the Zoom features you love, including virtual backgrounds and breakout rooms, the latter of which are key tools for running great team workshops. This makes it one of the more robust free plans available on the market today, which is why we consider it one of the best web conferencing platforms you can use.

What’s New: As of our December 2023 update, Zoom Workplace Basic has added a few new features: Clips Basic , which allows short-form video recording and editing (capped at five videos with a two-minute maximum length), and Notes , which lets users share editable documents within Zoom (great for internal business communication).

Zoom Workplace Pro – $13.32 per user, per month

While the Zoom Workplace Basic plan is decidedly robust for a free plan, it does have some notable limitations, like time caps and limited support options. With Zoom Workplace Pro, you’ll be able to get a little more flexibility for your team for only $13.32 per license, per month.

Zoom Workplace Pro comes with all the features listed above while allowing for 100 meeting participants and up to 9 licenses . You’ll also essentially get rid of the meeting cap, moving it to a full 30 hours , which no reasonable person would ever need to exceed. But don’t worry if you have a tendency to host really long meetings – you’ll get 5GB of cloud storage per license for storing meeting recordings. Additionally, you get access to live chat support options, so you can actually get any help you need quickly and effectively.

Zoom Workplace Pro adds some features that could be beneficial to your business as well, including analytical reporting and social media streaming to Facebook Live and YouTube. You’ll even unlock interoperability with Skype for Business , in the event that your team is transitioning from another platform.

Zoom Workplace Pro pricing is right in line with the industry, with other options like RingCentral ($11.99 per user, per month) and GoTo Meeting ($12 per user, per month) costing almost exactly the same. Google Meet ($6 per user, per month) and Microsoft Teams ($4 per user, per month), on the other hand, are notably more affordable, but you’ll want to be sure that you’re up for all the additional bloat that comes with those platforms.

What’s New: As of our December 2023 update, Zoom Workplace Pro has added the same new Clips and Notes features that Basic has added, but with one upgrade. Pro users will get Clips Plus, for unlimited shortform video creation, with no cap on video amount or length.

Zoom Workplace Business – $18.32 per user, per month

If you’re hoping to find a video conferencing plan that caters to medium and large-sized businesses, Zoom Workplace Business has got you covered. This plan offers more features, more participants, and more licenses, all at the low cost of $18.32 per license, per month , billed annually.

Zoom Workplace Business comes with all the features we’ve already mentioned while allowing for up to 300 participants and up to 99 licenses . Naturally, you’re still without the meeting time cap, and you’ll get live chat support, as well as an added phone support option and a service ticket tool for even more comprehensive customer service.

As you’d expect, you also get more business-focused features when you shell out the extra money for the Zoom Workplace Business plan, such as single sign-on , an admin portal , and company branding features. It also expands on features that Pro offers: For example, Pro offers three editable whiteboards, but Business removes the cap entirely, allowing for unlimited whiteboard use. The extra capability makes this a great plan for a remote or hybrid company, in which team-building workshops must function just as well on a screen as in-person.

What’s New: As of our December 2023 update, Zoom Workplace has raised its price for Business, making it $18.32 per month per host, up from $16.66 per month. It also added the same Clips Plus  and Notes features that Pro added.

Zoom video chat

Zoom Workplace Business Plus – $22.49 per user, per month

Zoom Workplace Business Plus is the first Zoom Workplace plan that includes the Zoom Phone VoIP system. There’s also caption translation on this plan, plus a single sign-on feature and workspace reservations for $22.49 per license, per month , billed annually. The storage space for your meeting recordings is doubled to 10GB too.

Zoom Phone includes unlimited internal calling , native apps for Windows and macOS, 3-way ad hoc conference calls , call recording, toll-free numbers, and specified call blocking , among other useful business phone functions. There’s also 24/7 global customer care on the Business Plus fan for Zoom Phone users.

What’s New: As of our December 2023 update, Zoom Workplace has raised its price for Business Plus to cost $22.49 per month per host, up from $20.83 per month. Business Plus added Clips Plus and Notes .

If you’re interested in purchasing Zoom Phone as a standalone product, check out our Zoom Phone review .

Zoom Workplace Enterprise – Custom quote

Globally-renowned companies need enterprise-level video conferencing solutions, and that’s where Zoom Workplace Enterprise comes in. There’s no public pricing available for this plan, but it does require you to sign up for at least 250 licenses.

As you can imagine, Zoom Workplace Enterprise comes with all the features listed above, while allowing for 500 meeting participants  and unlimited cloud storage . Plus, you get access to the same live chat and phone support from the Business and Business Plus plans, so you’ll have help on-hand whenever you need it.

Zoom Workplace Enterprise is the second Zoom plan with Zoom Phone included, but it’s a bit more advanced than what you get on the Business Plus plan. Features include metered outbound calls, call queues & IVR, and a Common Area Phone .

Outside of the increased meeting participant limit, Zoom Workplace Enterprise also offers some other enticing features for enterprise-level organizations. For one, you’ll get a dedicated Customer Success Manager to help you improve your communication across your business. Additionally, you’ll get advanced reporting tools in the form of executive business reviews  to truly understand how Zoom improves your business.

How Do I Switch to Zoom?

If you’re unhappy with your current video conferencing platform, the process for getting started with Zoom is pretty straightforward. Switching is the easy part, but it’s important to consider some questions before making the transition from another video conferencing platform to Zoom.

For starters, understanding how much Zoom costs is vital. Compared to competitors, it’s a relatively conservative price, with Zoom landing right in the middle of the $10-15 range for the majority of other video conferencing tools at $13.32 per month. If you’re looking for a full-on business suite, though, Zoom isn’t going to cut it. You’ll likely do better with Google Meet or Microsoft Teams in that case, which come with vast functionality and much lower prices, starting at $6 per month.

As far as how good Zoom is to the best video conferencing tools , our research found that GoTo Meeting is the best solution, with excellent audio and video quality and plenty of features. Still, Zoom is generally more helpful for beginners, given the easy-to-use interface and helpful customer support.

Zoom Rooms is the specifically business-facing version of the Zoom video chat function. This software-based video conferencing system is compatible with third-party hardware for cameras, speakers, and monitors, allowing for a flexible transition with your existing video conferencing setup.

Every plan below supports 720p HD video and audio quality , 1,000 meeting participants, and 10,000 webinar viewers , and allows you to join, book, and schedule meetings with a single click . You’ll be able to integrate meetings with Google Calendar and Microsoft Outlook, and meetings can be recorded and transcribed in real time. You can even use whiteboard and annotation features, as long as you have a touch-enabled display.

Rather than different plans with increasing features, Zoom Rooms offers all features with every plan, with licenses available for each.

A single Zoom Rooms license will cost you $49 per month per room . You’ll be able to purchase up to 49 rooms at that price, giving you access to all the features listed above. If you pay the annual fee, it works out to $41.58 per month per room .

Zoom Rooms Enterprise

In the event that you need to purchase more than 49 licenses for Zoom Rooms, the Zoom Rooms Enterprise plan can help. You’ll have to contact Zoom’s sales department in order to be assisted with this, so that they can guide you through the large-scale deployment of an enterprise-level solution like this one.

If you aren’t sure about whether or not these Zoom pricing plans are the right fit for your business, Zoom Rooms does come with a 30-day free trial , which gives you access to all the features listed above, at no charge to your business.

ZoomRooms Options

If you’re just looking for a VoIP system and don’t need the other features included in the Zoom Workplace Business Plus and Enterprise plans, then you can buy Zoom Phone as a standalone product .

Zoom Phone offers you the ability to consistently monitor call quality and manage user accounts with a centralized management system, as well as integrate with popular software including Salesforce , Microsoft Office 365, and Google’s G-Suite.

Zoom Phone VoIp service on laptop and mobile

When it comes to VoIP security , Zoom offers 256-bit TLS encryption for all users, but there are instructions here that will show you how to enable end-to-end encryption for Zoom Phone. If you’re looking for your calls to be as secure as possible though, we found that most VoIP competitors to Zoom offer superior security features, such as multi-factor authentication.

In our VoIP research, Zoom Phone scored quite highly overall, netting a score of 4.4/5 in our testing , the third highest score in our roundup of the  best VoIP service providers . In fact, given the low price of plans and the robust nature of the service, our research found that Zoom Phone is the best value option across the VoIP industry.

Zoom Phone comes in three different pricing plans that are pretty self-explanatory: US & Canada Metered , US & Canada Unlimited , and Pro Global Select .

The best part of the Zoom Phone pricing plan breakup is that each plan still offers all the features you’ll find with the others. This means, no matter what you pay, you’ll get industry-leading HD call quality , voicemail with transcription , and access to native mobile apps for Android and iOS , among other things. The only tangible difference between each plan is where and how often you’ll be able to call.

If you’re interested in getting started with Zoom Phone today, check out our handy comparison tool to get a Zoom VoIP quote right now, as well as custom quotes from top competitors.

US & Canada Metered

With the US & Canada Metered plan, you’ll be able to call – you guessed it – people based in the US and Canada, with no international capabilities. This plan isn’t unlimited, either – it provides metered calling to the US and Canada, so make sure you don’t need the extra minutes before you commit to this one.

The US & Canada Metered plan will cost you $10 per month per user .

US & Canada Unlimited

Again, as you can likely determine from the name, the US & Canada Unlimited plan allows users to call within the US and Canada without a metered rate. This means no international calls, but also no worrying about how long you’re calling, which might be worth the additional $5 per month. You’ll even have the option to add international calling to 18+ countries for only $10 more per month.

The US & Canada Unlimited plan will cost you $15 per month per user .

Pro Global Select

If you’re running an international business with locations across multiple countries, the Pro Global Select plan might be the way to go. It offers unlimited domestic calling within 40+ different countries and territories. You’ll also get a direct dial number for each license, making calls even easier for everyone. This plan also allows you access to the international add-on, opening up outbound international calling to 19 countries for only $10 more per month.

The Pro Global Select plan will cost you $20 per month per user .

Zoom Webinars Pricing

If you find yourself using your Zoom account for all-hands meetings, employee onboarding, product announcements, or other large virtual events more often than actual video calls, it might be worth looking into Zoom Webinars . This product is specifically catered to webinars so that you can enjoy specific features designed to make these larger events easier and more engaging.

Zoom Video Webinar allows for up to 100 live participants , which can include panelists or just engaged viewers, and up to 50,000 webinar attendees . You’ll be able to live stream to Facebook Live and YouTube Live, and it even integrates with customer service platforms. You can also record webinars (with auto-generated transcription) to save for later or provide in online forums.

Zoom Video Webinars is also a helpful tool for management, as it provides analytic reporting tools and event assistance to make sure you run the best webinar every single time. Zoom even offers online event consultations , so you can improve throughout your webinar journey.

Zoom Webinar License Prices

Rather than offering specific pricing plans with differing features, Zoom Video Webinar offers all its features across the board, with the license price being based on a maximum number of attendees for your webinars. Here is the breakdown of the prices:

  • 500 attendees: $79 per month per license ($57.50 on annual plan)
  • 1,000 attendees: $340 per month per license ($283.33 on annual plan)

Some websites just throw aggregated information in an article and hope that readers don’t need any more data to make the right decision. At Tech.co, though, we know that knowledge is power, which is why we’ve dedicated hours of our time to do in-depth research on business software.

For web conferencing platforms like Zoom, we took a lot of criteria into consideration when it came to rating and ranking providers, including features, pricing, ease of use, third party integrations, and help and support options .

If you want to learn more about how we evaluate business software, check out our research guide to peak behind the curtain of our process.

Since our last update...

Zoom is just like any popular business software, in that it is frequently updated in response to customer feedback. This means that when you update your software, you’re getting access to a myriad of new features, many of which dramatically improve the experience for you and your team.

In an August 2023 update , Zoom has added a unique feature that could help protect your team’s delicate sensibilities. The feature is a profanity filter for transcription , which will allow users to “report and suggest words that they think should be added to the profanity list,” so they don’t show up in meeting transcripts going forward.

Zoom Pricing Alternatives

While we believe that Zoom is one of the best web conferencing solutions on the market today, that doesn’t mean it’s the only one. Here are how top competitors like Webex , RingCentral, and many others compare from a pricing perspective — view the table below to get a clear picture of what your options are.

If you’ve been comfortable with taking advantage of the free Zoom plan for a while now, the thought of paying for it might seem a bit foolish. Even with Zoom pricing being competitive, moving on from a free plan can be daunting.

However, the reality – particularly for businesses looking to get ahead – is that   Zoom’s wide range of paid options can truly improve the productivity and efficiency of your company . From advanced features to improved reporting, Zoom’s paid offerings are designed to make business communication easy and reliable across the board.

If you aren’t feeling it, though, there are plenty of Zoom alternatives to choose from.

Who Can Benefit from Zoom?

With the pandemic in full force, the reality is that pretty much everyone can benefit from using Zoom . Need to host a work meeting? Zoom has got you covered. Want to enjoy the holidays while socially distancing from family and friends? Zoom is on the case. Require virtual events for pretty much any reason? That’s what Zoom is built for!

Not everyone needs to pay for Zoom, though. In this instance, the businesses that benefit the most from Zoom’s paid offerings are larger companies with lots of meetings . In most cases, smaller businesses with few meetings can get by with the Zoom Basic plan, which is free, and you won’t notice a big difference. However, if you’re consistently on calls, trying to manage multiple teams, and require a bit more control over your video conferencing, paying a little bit per month could make a big difference for you, enabling more effective video meetings .

Best Features for Value

If you are considering paying for Zoom, you probably want to know exactly what you’re getting. Checking out the product plan descriptions above can help, but the main reason you would pay for Zoom is to eliminate meeting limits , add sharing features for social channels , and improve your reporting capabilities (if you even need them).

Zoom Security

You may have heard that Zoom security isn’t very good. After all, during the height of the pandemic, Zoom was experiencing some serious problems due to the sudden influx of users. Breached meetings, stolen data, and “Zoom-bombing” became all too common, resulting in some serious consequences .

Fortunately, those days are mostly behind them. Zoom has since established end-to-end encryption as a standard for all users, including the free ones, making it one of the more secure web conferencing platforms on the market today. Additionally, the company has generally owned its previous mistakes and been transparent about efforts to secure users’ data. Simply put, don’t let old news ruin a great video conferencing platform for you.

How to Get & Set Up Zoom

Perhaps the most important point to understand about Zoom setup, particularly compared to other popular options like Google Meet , is that you will be required to download it before use. Whether it be the mobile app or the desktop platform, you’ll need to download Zoom ahead of time if you want to take part in a meeting.

Once you’ve done that though, conference calls should be smooth sailing, as Zoom is famous for its intuitive interface and general ease of use. To simply set up a meeting, all you have to do is create an account , launch a meeting , and invite guests , either by sending them a link or relaying a meeting code. For security purposes, you’ll have to allow guests in from the waiting room, and then you’ll be ready to go.

Next Steps for Zoom

If you feel like one or more of these Zoom products is going to be a good fit for your business, that’s great news! We’d be happy to help you get set up with a video conferencing solution, as we’ve done with thousands of businesses in the past. Simply use our web conferencing price comparison form , and you’ll be on your way to better communication for your team.

  • RingCentral : Choose this platform if your team handles high-volume calls, as it has advanced business phone tools, such as multi-level auto-attendant, up to 10,000 toll-free minutes, shared lines, and call delegation. On top of offering voice-over-internet-protocol (VoIP) features, it also supports team messaging and video conferencing for up to 500 participants. Best for Pricing: Google Workspace

*The entry-level plan’s fee is reduced from $7.20 to $6 when you pay annually. **Save up to 21% by paying annually.

When comparing Google Workspace vs Zoom One pricing, Google Workspace is significantly cheaper than Zoom One. Its monthly entry-level plan costs $7.20 per user, while Zoom One is more than double the price, at $15.99 per user. Google Workspace’s fee further reduces to $6 per user when you choose the annual billing arrangement. A 14-day free trial is available for businesses wanting to explore the platform first before committing to a subscription.

On top of the affordable fees, Google Workspace offers a free plan, making its services highly accessible to startups and small businesses. The Essentials Starter package comes at no cost and allows up to 100 users in the account.

Although Zoom One has higher subscription fees than Google Workspace, it offers a free plan that lets users start 40-minute video meetings. It also comes with whiteboards, team chat, and business mail.

Best for Business Mail: Google Workspace

In the battle of Google Workspace vs Zoom One business mail, Google Workspace wins as it works with multiple email providers, namely Microsoft Outlook, Apple Mail, and Mozilla Thunderbird. Meanwhile, Zoom One’s business mail only works with Google and Microsoft 365.

On top of this, the platform has robust built-in security features, including blocking 99.9% of spam and malware and keeping your inbox free from irrelevant, unsafe messages. To prevent phishing attacks, the system automatically sends a warning reminder, “Be careful with this message,” when a suspicious email reaches your inbox.

Confidential mode lets users protect sensitive information by setting expiration dates on messages and asking for a verification code before providing access. This setting also offers the option to limit certain actions, such as forwarding, copying, downloading, and printing emails.

Gmail’s Smart Compose, powered by artificial intelligence, recommends responses when a user types a message. This helps in writing emails faster.

Meanwhile, Zoom One uses end-to-end encryption for improved email security. The platform has no access to content shared between Zoom Mail Service users. Meanwhile, it assigns secret codes to messages sent between Zoom Mail Service and third-party email services to protect confidential information. This feature is available across all plans, including the Basic (free) package.

Best for Team Messaging: Zoom One

In evaluating Zoom One vs Google Workspace team messaging, Zoom One is a step ahead of Google Workspace because it offers more robust chat tools. Unlike Google Workspace, it helps users reply faster to messages through its Zoom IQ feature. The tool tweaks drafted responses according to specific commands, such as “Make Longer,” “Make Shorter,” or “Change Tone to.”

In addition, it features message translation, which supports over 30 languages, including Chinese, Dutch, French, Russian, and Swedish. Notably, Zoom One’s instant messaging has tools for organizing chats.

Folders help users group conversations, making it easier to refer to specific channels. The chat compose toolbar is customizable, letting you reorganize the available chat tools and make frequently used ones more visible. The message reminder enables you to set reminders for follow-ups at a specific time or date.

Zoom One integrates with Mio, a platform that bridges different messaging apps. If some of your colleagues use Microsoft Teams or Slack, the Mio integration makes the transition to Zoom One easier.

As for Google Workspace, Google Chat is its main team messaging tool. Its unique features include auto-accept invitations and guest access. Both providers share these messaging capabilities:

  • One-on-one and group chats
  • Chat with external stakeholders
  • Message search
  • Threaded conversations
  • Chat channels
  • GIFs (through integrations for Google Workspace)

Best for Video Conferencing: Zoom One

For video meetings, Zoom One is a better option than Google Workspace, primarily because it allows longer duration and also features more robust tools for virtual collaboration. Zoom One meetings can last up to 30 hours, while Google Workspace’s maximum is 24 hours.

On Zoom, you’re able to comment and make notes on a shared screen, making it easier to explain concepts. Turn on translated captions to help participants from different cultures understand the ongoing discussion.

Google Workspace offers video conferencing through Meet. Most of its features—if not all—are also found in Zoom One. Refer to the list below for the capabilities both providers have.

  • Virtual background
  • Screen sharing
  • Breakout rooms
  • Hand raising
  • Remote control (Google Meet uses Chrome Remote Desktop)
  • Polling and question and answer
  • Multi-share

Best for VoIP Calling & Call Management: Zoom One

Zoom One offers business phone features in its Business Plus plan, while Google Workspace has an add-on VoIP system through Google Voice. Although choosing Google is cheaper, even with the Google Voice add-on, Zoom One has more advanced VoIP calling and call management capabilities. For this reason, we pick Zoom One as the winner in this category.

Its phone extensions allow multiple team members to share lines, while the dial-by-name directory makes it easier for customers to reach the particular agent they’re looking for. Zoom One’s call whisper , barge, and takeover improve agent coaching and training and facilitate faster customer service delivery, reducing wait times. Its three-way calling enables quick huddles among colleagues and external stakeholders.

Google Workspace’s unique VoIP calling and call management tools include calls to specific European territories and custom call forwarding, which involves sending calls from particular contacts to linked phone numbers. Google Voice and Zoom One have these similar business phone features:

  • Domestic calling
  • Number porting
  • Ring groups
  • Voicemail transcription
  • Multi-level auto-attendant
  • Call recording
  • Call blocking
  • One-click dialing

Best for Third-party Integrations: Google Workspace

Google Workspace is the clear winner for the third-party integrations category since it connects with 5,000 business apps—versus Zoom One with 2,000 tools. Popular platforms like Microsoft Teams, Slack, Trello, Asana, and monday.com integrate with Google Workspace. Industry-specific tools, such as those used in human resources, law, accounting and finance, sales, and logistics, form part of the provider’s marketplace.

To help customers integrate unified communications capabilities into existing business platforms, Google Workspace provides access to different APIs. Moreover, it features AppSheet, a no-code platform that lets users design apps and automated workflows even without technical know-how.

Although Google Workspace wins this round, Zoom One still has robust integrations. The number of connected apps is fewer than Google Workspace offerings, but you’ll likely find the platforms you use in its marketplace. The provider also has APIs that help extend the functionality of your existing business tools.

Best for Security: Zoom One

Zoom One has more data security compliance certifications than Google Workspace. It’s HITRUST-certified, which means it satisfies security and privacy requirements adopted by globally accepted standards, like ISO, PCI, and HIPAA. It obtained CSA Star Level 2 Attestation, passing the rigorous assessment for cloud service providers’ data protection measures.

Zoom One also abides by the strict standards of the DoD Cloud Computing Security Requirements Guide, making the provider an ideal choice for federal agencies. As a Zoom user, you get to maximize plenty of features for gatekeeping access to business communications and maintaining the confidentiality of information. These include meeting lock, screen share watermarks, and disabling recording.

While not as robust as Zoom One, Google Workspace’s compliance certifications and meeting security features offer peace of mind to users. The platform observes HIPAA and ISO standards. It features 10-character-long meeting codes and the option to remove participants in ongoing sessions.

Zoom One and Google Workspace share these same security attestations:

  • System and Organization Controls (SOC) 1 and 2
  • ISO27001 (information security management system)
  • Federal Risk and Authorization Management Program (FedRAMP)

Frequently Asked Questions (FAQs)

How many users do you have on zoom.

Zoom’s free plan includes one user, while the paid subscription plans may have multiple users, depending on the number of licenses you get. For instance, if you purchased five Zoom licenses, you’ll have five licensed users on your account. Aside from the licensed users, you have the option to add a maximum of 9,999 basic (free) users.

A basic user on the free plan is able to host meetings for up to 100 participants, but the sessions will be restricted to 40 minutes. Meanwhile, a basic user on a paid plan gets the account’s default meeting capacity. For instance, if it’s under the Business package, you’re able to host a session for a maximum of 300 participants.

What's the difference between Google Workspace & Microsoft?

Google Workspace was primarily designed to work in the cloud, while Microsoft 365 tools were first launched as desktop apps. Although they are cloud-based apps, Google Docs, Slides, and Sheets function offline. In the same way, Microsoft has introduced web-based versions of Word, PowerPoint, and Excel that users freely access online.

What happens if you go over time on a Zoom meeting?

If your meeting lasts longer than the time specified on your calendar invite, the session will continue running until the host ends it. However, when you go over the 40-minute time limit on Zoom’s free plan, the meeting will automatically be cut off.

How We Evaluated Zoom One vs Google Workspace

Zoom One and Google Workspace are excellent unified communications tools equipped with robust tools for team collaboration and customer engagement. To compare the platforms, we considered what companies prioritize, namely pricing, general features, and overall ease of use. We included in the evaluation the providers’ popularity and our expert opinion on their value for money.

Here’s a complete breakdown of these factors:

  • Pricing: To determine the platform’s affordability, we looked at the cost of the base-level and second-tier plans and compared it to the prevailing price of unified communications platforms. We checked the duration of the provider’s free trials and if they offer annual and volume discounts.
  • General features: The general features we considered were business mail, video conferencing, and instant messaging. Since businesses need a reliable communications platform, we included the SLA guarantee in our assessment.
  • Ease of use: We evaluated ease of use by determining the expertise required to set up and operate the platform. We also assessed if providers have an intuitive interface.
  • Expert score: This includes our evaluation of the provider’s standout features, value for money, and ease of use. We checked user ratings in third-party review sites to gauge the platform’s popularity.

The Zoom Sessions 1000 license is included in the Zoom One Enterprise Plus plans. Adding Zoom Sessions to Zoom One Enterprise+ unlocks the premium webinar features on Zoom and gives the user additional access to Zoom Sessions on the Zoom Events platform.

Note : This change in licensing will take place on June 20, 2023.

Frequently asked questions about including Zoom Sessions in Zoom One Enterprise Plus

General experience, what is the adjustment to the zoom one enterprise plus plan.

We will be adding Zoom Sessions to the Zoom One Enterprise Plus bundle for all current and new customers.

We are planning to add Zoom Sessions to the Zoom One Enterprise Plus bundle on June 20th, 2023.

Will this be a phased release?

No, at the time of release, all accounts with Zoom One Enterprise Plus will be updated.

How will accounts with Zoom One Enterprise Plus be impacted at the release date?

All users with current Zoom One Enterprise Plus licenses will have access to Zoom Sessions 1000 on the release date.

How will we be notifying users about the release?

There will be no automated notification that goes out to end users about this new benefit so we recommend that admins share this information directly with their users.

Is there a specific license needed?

The Zoom One Enterprise Plus license is required.

Who should be taking advantage of this new product?

Zoom Sessions users can be anyone in the organization that is tasked with hosting events, internal or external. The most likely users will be on the marketing or internal communications team.

What are the planned key features at launch?

Zoom Sessions is a new product within Zoom’s event solutions. Zoom Sessions helps customers level up their events and webinars by providing more engagement in single-session events using either Zoom Meetings or Zoom Webinars to connect with your audience. The product helps users gather event analytics and use robust ticketing features to track attendance and engagement.

Do we charge for this product?

We do charge for Zoom Sessions as a standalone product. Pricing can be found on our pricing page , but as of this launch, we will be including it in the Zoom One Enterprise Plus bundle at no additional charge.

Can admins adjust any settings for their users?

If you would like to set limitations for end users on the release date you will need to sign into the web portal on June 20 and go to Account Management , then Account Settings , then Zoom Events . From here you will see a setting that allows you to control visibility for hubs . You can use the Hidden hub setting to make all hubs on your account private. This will prevent users externally and internally from accessing another user's hub.

You can also set whether your end user can create paid events by going to https://events.zoom.us/e/billing/account . You will see toggle options for the type of events your end users can create. To restrict the creation of paid events, click the toggle to disable it. This setting will apply to the entire account.

Can admins limit complete access to Zoom Sessions?

Yes, admins can enable or disable Zoom Sessions by using the Allow users to use Zoom Sessions with their Zoom One license setting .

There are no actions needed from a typical user.

What are the main areas within the interface for users?

Users will now have access to the Events Portal that they may or may not have had access to prior. They also would have the ability to possess multiple licenses (i.e., Zoom Sessions within Zoom One Enterprise Plus and a Zoom Events license). This could be a new experience for them either way.

What other features is this available for? (Phone, Rooms, Contact Center, etc.)

No other features are available. We’re just adding Zoom Sessions to the Zoom One Enterprise Plus bundle.

Can I use integrations with Zoom Sessions?

Introducing Zoom One for Education: A new unified communication licensing program for schools and universities

EDU-Higher Ed_Experiences_8 (1)

Having the right communication tools at the center of today’s modern higher education experiences is critical for teachers, staff, students, and the larger community. Unified communications and collaboration are no longer a luxury but a necessity for educational institutions that have to support hybrid and remote working environments, flexible learning modalities, and essential student services, from recruitment and health services to financial aid and alumni relations.

That’s why today, Zoom announced the global availability of Zoom One for Education , a new UCaaS licensing program designed exclusively for educational institutions ( see eligibility guidelines ).

Zoom One for Education brings together voice, video, chat, phone, live meetings, webinars, recording, transcription, translation services, AV room integration features, and other functionality under one secure umbrella, streamlining collaboration and enhancing learning experiences like never before.

“Zoom Meetings has been a key communication tool across many local education authorities, schools, colleges, and universities, well before 2020,” said Johann Zimmern, Education Strategy Lead at Zoom. “ What most people don’t know is that Zoom is so much more than video meetings. The full platform includes products like Zoom Phone, Zoom Rooms, Zoom Virtual Agent, Zoom Contact Center, and more to help streamline overall collaboration and communication needs for faculty, administrators, and students alike.”

Standardizing on a single communication platform, especially for larger deployments across centralized organizations, can assist with keeping applications up to date, offer budget predictability, and help with centralized IT deployment, management, and usage measurements.

Zoom One for Education offers five new licensing bundles:

  • School & Campus
  • School & Campus Plus
  • Enterprise Essentials
  • Enterprise Plus
  • Enterprise Premier

Zoom now offers easier-to-manage, consolidated, and tailored solutions to meet the specific needs of educational institutions. The new bundles provide both “buy-as-you-need” and enterprise site-wide coverage models.

Optional add-ons like Zoom Contact Center, Zoom Virtual Agent, and Workvivo round out these new plan offerings to further revolutionize communication, collaboration, and productivity across the entire school or campus.
